The 5 Best Intake Form Software for Business Coaches, Compared

The best intake form software for business coaches does two jobs at once: it tells you whether a founder is a fit for your offer before you give them an hour on a discovery call, and it carries their answers into the contract, the payment and the first session without anyone retyping them. A business coach's intake asks about revenue range, team size, offers, the constraint that keeps the owner up at night and whether they can actually commit to a 90-day engagement. A form tool that stores those answers in a separate inbox solves half the problem.
Our pick is Coachful, because the application, the discovery-call booking questions, the agreement, the payment and the program that follows all live in one account, and the client record keeps every intake answer next to the sessions and goals that come after it. We make Coachful, so read the ranking with that in mind; below, we compare it with four other tools on what they document, what they cost as listed in October 2026 and where each one fits better.
If you want the general version of this comparison, our guide to coaching intake form and agreement software covers every niche. This article stays with business coaches: consultants turned coaches, scaling mentors, mastermind hosts and coaches who work with founders on growth, operations or leadership.
What do business coaches need from intake form software?
Business coaches need intake software that qualifies prospects for a high-ticket offer, captures commercial context before the first call and hands everything to the delivery side. The form is the start of a sales conversation and the first page of the client file, so it has to serve both.
Here is how that plays out across the typical business coach's client journey.
- Application before access. Many business coaches sell a 90-day accelerator, a six-month retainer or a year-long mastermind. An application form screens for stage (pre-revenue, early traction, established), business model and readiness, so the discovery call slot goes to people who can buy.
- Discovery-call questions on the booking page. Even prospects who skip the application should answer three to five questions when they book: what the business sells, roughly where revenue sits, what they have already tried and what a good outcome looks like in 90 days. You walk into the call prepared.
- A deeper onboarding questionnaire after the sale. Once someone signs, you need detail a prospect will not give on a first form: current offers and pricing, sales channels, team roles, the weekly schedule of the owner, key numbers they track and any upcoming deadlines such as a launch or a hire.
- A contract that goes out before the first session. Business clients expect a clear agreement: scope, session cadence, confidentiality, cancellation, payment terms. If the intake tool cannot send one for e-signature, you add another tool.
- Payment plans and retainers. High-ticket offers often sell as three monthly payments or an ongoing monthly retainer. The intake flow should lead straight to checkout without a manual invoice step.
- Delivery after intake. The intake answers should shape the first 30 days: goals, weekly targets, check-ins, a cohort space for mastermind members. A form tool that stops at "submission received" leaves you copying data into a program tool.
There is also a scope question that business coaches meet more often than most niches. Intake answers regularly surface tax questions, contract disputes, employment issues or cash-flow problems that need a professional. Coaching helps an owner think and act; it is not legal, tax or accounting advice. Put a short line in your agreement saying so, and when an intake answer points to a legal or tax issue, tell the client to check with an accountant or attorney before acting. For question ideas, our list of coaching intake form questions and the executive coaching intake form both translate well to founder clients.
Which intake form software is best for business coaches at a glance?
Coachful ranks first for business coaches; Dubsado and HoneyBook follow for coaches who mainly need forms, proposals and contracts; Paperbell and Quenza fit narrower setups.
Ranking criteria: one login for the whole client journey from application to delivery, what happens between sessions after the intake, total stack cost once you add the tools each option lacks, and setup effort, including Coachful's free white-glove build.
| Tool | Rank | Best for | Entry price (as listed) | Main gap for business coaches |
|---|---|---|---|---|
| Coachful | #1 | Coaches selling programs, retainers or masterminds who want intake, contract, payment and delivery in one place | Lite: $29/month for up to 5 clients | No routing forms that assign a host from answers; no PayPal |
| Dubsado | #2 | Coaches who think in workflows and want detailed forms tied to contracts and invoices | $35/mo Starter ($27.92/mo annual) | No programs, courses, community, website or email marketing |
| HoneyBook | #3 | Coaches who sell with proposals and want a client portal for paperwork | $29/mo Starter (annual billing) | No coaching delivery; payments must run through HoneyBook |
| Paperbell | #4 | Solo coaches who sell packages and want one flat price for admin | $97/mo ($80.83/mo annual) | No courses, community, goal or habit tracking; mobile browser only |
| Quenza | #5 | Coaches who want structured questionnaires and worksheets in a client app | $25/mo Spark ($20/mo annual) | No payments yet and no scheduling |

How did we choose and rank these tools?
We started from what business coaches actually do with an intake: screen applicants, prepare for discovery calls, sign and charge new clients and start delivery. Then we looked at each vendor's documented features and listed prices, plus what public reviewers report. We did not run hands-on tests for this piece, and we did not use invented ratings.
Four questions decided the order:
- Where do the answers go? Intake answers should land on the client record and stay visible for the whole engagement, not in a separate form inbox.
- Can the same tool sign and charge? Contract with e-signature and checkout with payment plans, right after the intake.
- What happens after the first call? Programs, check-ins, a community or cohort space and goal tracking matter for business coaches who sell outcomes over months.
- What is the full monthly cost? A cheap form tool plus a scheduler, a course host, an email platform and a website builder often costs more than one platform.
We left out general-purpose form builders. They collect answers well, but they leave the business coach to connect booking, contracts, payments and delivery by hand, which is the exact problem this list is meant to solve. Paperbell is the direct coaching-platform substitute here and sits at #4.
1. Coachful: intake, agreement, payment and program in one account

Coachful is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. For a business coach, that means the application form, the discovery call, the agreement and the first week of the program sit behind one login, and the client sees one branded app.
How the intake flow works for a business coach
Most business coaches run intake in three steps, and Coachful covers each one.
Application funnels. Coachful's funnel builder includes booking, application, lead-magnet and checkout funnels, with pixels and UTM tracking. A coach running a mastermind can publish an application page from their own site, collect stage, revenue range and goals, and see which ad or post sent each applicant. About 25 funnel templates are included in your Coachful membership.

Intake questions on booking. Booking pages can ask intake questions when a prospect picks a discovery-call slot. Availability rules, buffers, minimum notice and time-zone detection keep a founder in another country from booking you at 6 a.m., and two-way Google, Apple/iCloud and Outlook sync keeps the calendar honest. Calls run on built-in video or an auto-created Zoom, Meet or Teams link, with email reminders plus SMS and WhatsApp reminders once messaging is enabled.
Tracking who converts. Every lead lands on the Prospects page with the form or resource it came from and its stage. The Intakes page then tracks intake calls with totals for upcoming calls, conversions and conversion rate, so you can see whether your application is filtering well.

This short walkthrough shows the Intakes area from booked call to converted client:
After the yes: agreement, payment and delivery
Coaching agreements go out with e-signature before the first call and are stored on the client record (see coaching contracts). Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions for retainers, payment plans for a 90-day accelerator, order bumps, coupons, refunds, Apple Pay and Google Pay, with Stripe Tax. Coachful takes a 0% platform fee; you pay only Stripe or Razorpay processing.

The client record then holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with a status of thriving, active, quiet or at risk. That matters for business coaching, where the intake answer "we want to hire our first salesperson by March" should still be visible in week ten.

Delivery is where Coachful separates from form-and-contract tools. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins and goals with progress bars. Cohort groups are created automatically when someone enrolls in a program, which suits mastermind groups. Michelle, the built-in AI assistant, works from live practice data and briefs you before sessions, so the intake answers and recent check-ins are summarized before you join the call. Questions and planning with Michelle are included in the membership; confirmed builds and changes use AI credits.
Coachful also gives you a section-based website builder with a blog and custom domain, email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits. A business coach can send a three-email follow-up to applicants who did not book, without a separate email platform. See the Coachful page for business coaches for the full picture.
Why Coachful stands out: a free white-glove service. From Create, the "We'll build it for you · FREE" option lets you describe what you want built: an application funnel, an onboarding questionnaire, a sales page for your accelerator, an email sequence or a whole website. You can attach up to 8 reference links and up to 10 files, such as your existing intake questions in a document, your logo and brand guide. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent build: a business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. Read more about the free white-glove service.

What Coachful does not do
- No routing forms that pick a host from form answers. On team plans, multi-coach session types use round-robin or least-busy assignment instead.
- No multi-stage sales deal board for large teams, and no Salesforce or HubSpot integration. Zapier is available for other connections.
- No PayPal and no permanent free plan; a free trial exists.
- Not HIPAA-certified, which rarely matters for business coaching but matters if you also run a clinical practice.
- The client app ships under the Coachful listing with your branding, not under your own App Store account.
Who it is for: business coaches who deliver programs, retainers or group masterminds, solo coaches growing into a small team (Studio and Agency plans add coach seats with per-coach availability and staff permissions), and coaches replacing four to six tools. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. Monthly plans cancel in one click.
2. Dubsado: detailed forms wired into workflows

Dubsado is a client workflow CRM built around forms, contracts, invoices, a scheduler and automated workflows. For business coaches who like to design every step, it is the most configurable form-and-paperwork tool on this list.
Where it fits a business coaching practice
A business coach can build a lead-capture form for prospective clients, then a workflow that sends a proposal, a contract and an invoice in sequence once the prospect says yes. Consultants who moved into coaching often find this familiar, because it mirrors how a consulting engagement is sold: inquiry, scoping questionnaire, proposal, signed agreement, deposit. Dubsado also offers optional surcharging, which can pass card costs to the client on large invoices.
Price as listed in October 2026
- Starter: $35/mo, or $27.92/mo billed annually. Unlimited clients and projects, but only 1 active lead-capture form, and no scheduler or automations.
- Premier: $55/mo, or $43.75/mo billed annually. Unlimited lead forms, scheduler and automations.
- Free trial: 21 days with full Premier access, no credit card required.
For a business coach who needs an application form, a discovery-call scheduler and an onboarding questionnaire, Starter is too limited. Budget for Premier.
The limits you will hit
Dubsado says it does not include website building and is not an email marketing platform. It has no courses, no client community, no habits and no check-ins. Its mobile app is a companion; the full functionality needs the desktop web app. So the intake is well handled, but once the client signs, the 90-day program, the mastermind group, the follow-up sequences and the website all live somewhere else. Trustpilot showed 3.7 from only 1 review when we looked on 25 October 2026, too few to read much into.
Dubsado works well as the paperwork layer for a coach who already has a separate course host and email tool and wants to keep them. It works less well for a coach trying to cut the stack down.
Pick it over Coachful if you sell mostly one-off consulting-style projects with proposals and deposits, you want very granular workflow automation on the paperwork side, and you already have a website, email platform and delivery tool you are happy with.
3. HoneyBook: proposals and a client portal for service businesses

HoneyBook is a client-management CRM for service businesses with proposals, contracts, invoices, a scheduler and a client portal. Business coaches who sell through a written proposal after the discovery call will recognise the flow.
What a business coach gets from it
Lead forms capture inquiries; a proposal can combine scope, contract and payment so a founder signs and pays in one sitting. The client portal holds the paperwork, which suits corporate clients who want a clean record of what they bought. On Premium you can run multiple companies, useful for a coach who runs a coaching practice and a separate consulting brand.
Listed pricing and payment terms
- Starter: $29/mo billed annually (the monthly figure was not shown). Unlimited clients and projects; 2 live lead forms.
- Essentials: $59/mo, or $49/mo billed annually. Up to 2 team members; 10 lead forms.
- Premium: $129/mo, or $109/mo billed annually. Unlimited team members and lead forms; multiple companies.
- Free trial: 30 days, no credit card required, according to the pricing page FAQ.
Payments must run through HoneyBook's own processing. The pricing page is inconsistent about card fees: the FAQ says 2.7% + 10¢, while the plan comparison shows 2.9% + 25¢. ACH is listed at 1.5%, and instant deposit costs 1%. On a high-ticket coaching package, that difference is worth confirming before you sign up. Prices rose in February 2025, according to our older profile of the product.
Where it stops
The scheduler and automations are not on Starter, so a business coach who wants discovery-call booking needs Essentials at least. HoneyBook has no coaching delivery: no programs, courses, habits, check-ins or community. A mastermind host would still need a group space, and a coach selling a 90-day accelerator would still need somewhere to deliver the weekly work. Trustpilot showed 4.1 from 748 reviews on 25 October 2026, the largest review base in this list.
Pick it over Coachful if your sales process depends on detailed written proposals, you want a client portal mainly for paperwork and invoices, and you are comfortable with HoneyBook as your payment processor instead of your own Stripe account.

4. Paperbell: one flat price for solo-coach admin

Paperbell is an all-in-one admin tool for solo coaches covering booking, packages, payments, contracts, a client portal and a simple website. It is a direct coaching-platform alternative, built for coaches who sell session packages.
Its appeal for a business coach is simplicity. You set up a package such as "six strategy sessions over three months", connect payment, attach a contract and publish a simple booking page. There is one plan, so you do not have to work out which tier unlocks which feature.
As listed in October 2026, Paperbell has a single plan at $97/mo, or $80.83/mo billed annually, with unlimited clients, sessions, files, packages and traffic. There is a "Try For Free" button; the trial length is not on the pricing page, and Paperbell's help center (July 2026) described a 7-day trial with the public site offline and client messages and SMS turned off. A 30-day money-back guarantee applies. Paperbell states no additional transaction fees; Stripe and PayPal processor fees apply, so a business coach whose corporate clients insist on PayPal can use it.
On intake specifically, Paperbell's public material did not let us confirm how deep its questionnaire options go, so test that during the trial: build your full application and your onboarding questionnaire before you commit. The bigger gap for business coaches is after the intake. According to our older profile, Paperbell has no courses or LMS, no community and no goal or habit tracking, and there is no native mobile app, only the mobile browser. A coach running a group mastermind or a program with weekly targets would need extra tools. Trustpilot showed 3.5 from 14 reviews on 25 October 2026.
The flat price is the other thing to weigh. At five clients, $97 a month is a large share of revenue for a new coach; at 40 clients it becomes good value, provided you do not also pay for a course host and community app.
Pick it over Coachful if you only sell 1:1 session packages, you never plan to run a cohort or program, and you need PayPal as a payment option.
5. Quenza: structured questionnaires inside a client app

Quenza is a client-engagement tool for coaches and therapists built around activities, worksheets, programs, chat and a client app. For intake, that means you can send a structured onboarding questionnaire as an activity and keep the client's answers inside the app where later worksheets also live.
This suits a business coach who works heavily with exercises: a values worksheet for a founder, a weekly review template, a quarterly planning activity, a 30-60-90 day plan. The intake becomes the first activity in a sequence rather than a one-off form.
- Spark: $25/mo, or $20/mo billed annually. 1 professional, 10 clients.
- Growth: $50/mo, or $40/mo billed annually. 1 professional, 250 clients.
- Impact: $125/mo, or $100/mo billed annually. 1 professional, 400 clients.
- Collective: $160/mo, or $128/mo billed annually. Up to 3 professionals, 500 clients.
- Free trial: 30 days, no credit card.
Those were the listed prices in October 2026. The catch for business coaches is commercial. Quenza does not process client payments today; invoicing and digital products are marked as planned. Our older profile also notes no scheduling or video calls. So a prospect cannot apply, book a discovery call, sign and pay inside Quenza. You would pair it with a scheduler, a payment tool and a contract tool, which brings back the copy-and-paste problem the intake form was meant to solve. Trustpilot showed 4.3 from 8 reviews on 25 October 2026.
Pick it over Coachful if you already have booking and payments sorted elsewhere, your coaching relies on a library of worksheets and reflective exercises, and you want a cheap client-engagement layer for up to 10 clients.
How do the features compare for business coaches?
Only Coachful covers application, booking questions, contract, payment and delivery in one account; the others stop at paperwork or at delivery.
| Feature | Intake and application forms | Intake questions on booking | E-signature contracts | Payments and payment plans | Programs and check-ins | Cohort or community space | Website and funnels | Email sequences |
|---|---|---|---|---|---|---|---|---|
| Coachful | Yes, application and lead funnels | Yes | Yes, before the first call | Yes, own Stripe or Razorpay | Yes | Yes, auto-created cohorts | Yes | Yes, with branching |
| Dubsado | Yes (1 lead form on Starter) | Scheduler on Premier | Yes | Invoices; processor rates apply | No | No | No | No |
| HoneyBook | Yes (2 lead forms on Starter) | Scheduler on Essentials and up | Yes | Yes, HoneyBook processing only | No | No | Not listed | Not listed |
| Paperbell | Check during the trial | Booking included | Yes | Yes, Stripe or PayPal | No goals or habits | No | Simple website | Not listed |
| Quenza | Yes, as activities and worksheets | No scheduling | Not listed | No (planned) | Programs and activities | Chat | No | Not listed |
"Not listed" means the vendor profile we have does not document the feature; it may exist, so ask the vendor before you rely on it.
What does each tool cost at 5, 15 and 40 clients?
At every client count, Coachful replaces the extra tools the others need; the form-and-contract tools look cheaper only until you add delivery, email and a website.
| Tool | 5 clients | 15 clients | 40 clients | What you still add for a business coaching practice |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients | Stripe or Razorpay processing only |
| Dubsado (Premier, for the scheduler) | $55/mo | $55/mo | $55/mo | Program or course host, community, email platform, website builder |
| HoneyBook (Essentials, for the scheduler) | $59/mo | $59/mo | $59/mo | Program or course host, community, email platform; HoneyBook card fees |
| Paperbell | $97/mo | $97/mo | $97/mo | Course host, community, goal tracking, email platform |
| Quenza | $25/mo (Spark) | $50/mo (Growth) | $50/mo (Growth) | Scheduler, payment tool, contract tool, website, email platform |
Vendor prices are monthly-billing figures as listed in October 2026, before processing fees and taxes. Annual billing lowers most of them. The right-hand column is the part people forget: for a business coach running a mastermind, the community app and email platform alone can cost more than the intake tool.
How does a business coach set up intake in Coachful, step by step?
The quickest route is to build the application, attach questions to the discovery call, then connect the agreement, checkout and program, so a yes on the call turns into an enrolled client the same day. Here is an example setup for a coach selling a 90-day growth accelerator to service-business owners. The offer and questions are illustrative; adapt them to yours.
- Decide what the intake must decide. Write down the three things that make someone a fit. Example: an existing paying customer base, the owner can give three hours a week and the main constraint is sales or operations, not funding. Every application question should help you judge one of these.
- Build the application funnel. In Funnels, create an application funnel, or adapt one of the included funnel templates. Keep it short: business name and what it sells, stage (pre-revenue, early, established), approximate monthly revenue range in bands, team size, the one result they want in 90 days and what they have tried. Add your pixel and UTM tracking so you know which channel sends good applicants.
- Add intake questions to the discovery-call booking page. Set availability, a buffer after each call and a minimum notice period. Add two or three booking questions for anyone who books without applying, such as "What would make this call worth your time?"
- Review leads on Prospects and Intakes. Each applicant shows up on the Prospects page with the form it came from and its stage. After calls, use the Intakes page to see how many booked calls convert, and adjust the application if the rate is low.
- Write a follow-up sequence. Create a short email sequence for applicants who do not book within a few days: one reminder, one useful resource, one last invitation. Use a delay and a branch so anyone who books leaves the sequence.
- Prepare the agreement. Set up the coaching agreement with scope, session cadence, confidentiality, cancellation and payment terms, plus a line that coaching is not legal, tax or accounting advice. It goes out for e-signature before the first call.
- Connect checkout with a payment plan. Through your Stripe account, offer pay-in-full and a three-payment plan for the accelerator, and use a coupon if you give a founding-client rate.
- Send the onboarding questionnaire. After payment, send a deeper form from Forms and Worksheets: current offers and prices, sales channels, key numbers, team roles and upcoming deadlines. The answers sit on the client record.
- Enroll the client in the program. Use the 90-day program with weekly goals, a weekly check-in and two or three business habits such as a daily sales activity or a Friday numbers review. If you run it as a group, the cohort space is created on enrollment.
- Prepare for session one. Before the first call, ask Michelle for a briefing. It draws on the intake answers and early check-ins, so you start with context instead of re-asking questions.
If you would rather not build it yourself, send your current questions, offer details and brand files through the free white-glove request and have the funnel, questionnaire and sequence built in your account. Need help drafting the questions? Try the intake form generator, or read how to create a coaching intake form.
What mistakes do business coaches make with intake forms?
The most common mistake is asking for everything up front, which drops completion and still leaves you without the context you need later. These are the others we see business coaches make.
- Asking for exact revenue on the first form. Founders hesitate to share precise numbers with a stranger. Use revenue bands on the application and ask for exact figures in the onboarding questionnaire, once there is a signed agreement with a confidentiality clause.
- One form for every offer. A VIP strategy day, a 90-day accelerator and a year-long mastermind need different qualifying questions. Make a short application per offer rather than one long form with sections that do not apply.
- Letting answers sit in an inbox. If intake answers live in an email notification, nobody re-reads them in week six. Keep them on the client record next to goals and session notes.
- No scope line. Intake answers will raise tax, legal or employment questions. Say clearly in the agreement that coaching is not professional advice in those areas, and refer clients to an accountant or attorney.
- Scoring by gut. If you cannot say why an applicant was a fit, your application is not doing its job. Our guide to automating coaching intake form scoring shows how to make the criteria explicit, and AI intake triage with human follow-up covers where automation should stop.
- Building the intake in a tool that cannot charge. A form tool that cannot send a contract or take a payment plan adds a manual step exactly when a prospect is most ready to buy.
Which intake form software should a business coach choose?
Choose Coachful if you sell programs, retainers or masterminds and want the application, discovery call, agreement, payment plan and delivery in one account with one client record. It is also the option with the least setup effort, because the white-glove team can build your application funnel and onboarding questionnaire for you.
Dubsado is the better fit for coaches who sell consulting-style projects through detailed workflows and already have their delivery tools. HoneyBook suits proposal-led sales with a paperwork portal. Paperbell works for solo coaches who only sell 1:1 packages and want PayPal. Quenza is a low-cost worksheet layer if booking and payments are handled elsewhere.

Frequently asked questions
What is the best intake form software for business coaches?
Coachful is our pick, because the application, booking questions, agreement, payment and program sit in one account and intake answers stay on the client record. Dubsado and HoneyBook are strong on forms and paperwork but leave delivery to other tools. We make Coachful, so weigh that when reading the ranking.
What questions should a business coach ask on an intake form?
On the application, ask what the business sells, its stage, a revenue band, team size, the result wanted in 90 days and what has been tried. Save exact numbers, offers and pricing, sales channels and team roles for the onboarding questionnaire after the agreement is signed. Our list of coaching intake form questions has more examples.
Should business coaches use an application form or just a booking page?
For high-ticket offers such as masterminds and accelerators, an application filters out poor fits before they take a call slot. For lower-priced offers, a booking page with three to five intake questions is usually enough. Many coaches use both: an application for the flagship and booking questions for everything else.
Is Coachful's white-glove build really free?
Yes. The white-glove build service is free on every plan. You describe what you want, attach up to 8 links and 10 files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include recording videos, logo design, ad management or ongoing marketing.
Can I collect sensitive business financials through an intake form?
You can, but ask for bands on the first form and exact numbers only after a signed agreement with a confidentiality clause. Coachful is GDPR-ready, and you can export all client data, including form responses, as a ZIP. If financial answers point to tax or legal problems, refer the client to an accountant or attorney.
Can Coachful route applicants to different coaches based on their answers?
No. Coachful has no routing forms that pick a host from form answers. On team plans, session types shared by several coaches use round-robin or least-busy assignment, and each coach keeps their own availability.
Does Coachful take a cut of my coaching payments?
No. Coachful has charged a 0% platform fee since August 2026. Payments run through your own Stripe Connect or Razorpay account, so you pay only their processing fees. PayPal is not supported.
Which tool is cheapest for a new business coach with five clients?
Quenza's Spark plan has the lowest listed price in this comparison, but it has no payments or scheduling, so you would add other tools. Compare the full stack, not the form tool alone. Coachful plans are at Coachful plans, and lower plans cap the number of clients.
Can I move my existing intake forms into Coachful?
Yes. Clients, programs and content are imported for you during onboarding, and you can send your current intake questions through the white-glove request to have the forms rebuilt in your account. If you are coming from another tool, export your form responses there first.
Do I need a separate CRM for business coaching leads?
Not for most solo coaches and small teams. Coachful's Prospects page tracks each lead's source and stage, and the client record carries everything after the sale; see lead management for coaches. Coachful does not offer a multi-stage deal board for large sales teams or a Salesforce or HubSpot integration.
