10 Best Tutoring Scheduling Software (2026 Guide)

10 Best Tutoring Scheduling Software (2026 Guide)

The best tutoring scheduling software is the one that handles the whole lesson cycle, not just the booking link: a parent buys a pack of lessons, the student books from it, both get reminders in their own time zone, and the practice work between lessons lives in the same place. Most tools on this list do the first two parts well. Far fewer do the last two, and that is the deciding question for a tutor with more than a handful of students.

Our pick is Coachful, because it puts booking, lesson credits, payments, reminders by email, SMS and WhatsApp, homework-style programs and group classes behind one login, with one branded app for the student. We make Coachful, so we say that up front, and we rank it first on criteria we state below. Acuity Scheduling and Calendly are the best pure booking tools if all you need is a calendar link, and Coach Recap is the cheapest way to track lesson packs for a very small roster.

This guide starts with five questions about your tutoring practice, maps your answers to a pick, then covers ten tools in ranked order with prices as each vendor listed them in October 2026, the cost at 5, 15 and 40 students, and the red flags that make switching painful later.

What does a tutor actually need from scheduling software?

A tutor needs a booking system that understands lessons sold in packs, students who are often minors, and families spread across time zones. A generic meeting scheduler covers the slot; a tutoring practice also has to cover the money, the reminders and the work in between.

Tutoring, in the broad sense Wikipedia describes, is instruction outside the classroom, usually one to one or in small groups. In practice that creates a workflow most booking tools were not built around:

  • Recurring weekly lessons. Most students book the same slot every week for a term. You need availability rules that protect that slot and an easy way to sell the term or the month up front.
  • Lesson packages. "10 lessons for a set price" is the standard tutoring offer. The software has to sell the pack, count the lessons used and show the family what is left.
  • Two audiences for every reminder. The student attends; the parent usually books and pays. Reminders that reach the right inbox or phone cut no-shows more than any other feature.
  • Time zones. Online tutors teach international students and expat families. Clocks change on different dates in different countries (see daylight saving time), and a tool that does not detect the student's zone will produce a missed lesson twice a year.
  • Cancellation and notice rules. Minimum notice and buffers stop a 7 a.m. booking appearing at 11 p.m. the night before, and stop back-to-back lessons with no time to reset.
  • Work between lessons. Practice problems, reading, vocabulary, past papers. If those live in email threads, nobody can see whether the student did them.
  • Group classes. Exam prep cohorts and small group sessions are where tutors grow income without adding hours.

Two scope notes. First, tutoring is not a special education evaluation or a clinical service: if a student shows signs of a learning difference that needs assessment, the right move is to suggest the family speak with the school or a qualified specialist, and none of the tools here are built to store clinical records. Second, when the student is a child, collect only the details you need (name, year group, subject, parent contact) and check the privacy rules where you and the family live. If you email families about new courses or term dates, the US CAN-SPAM compliance guide is a useful baseline for unsubscribe and sender rules; other countries have their own.

If you are still setting up the business itself, read how to start an online tutoring business first, then come back to choose the software.

Which tool fits your tutoring practice? Answer these five questions

Answer these five questions honestly and the shortlist picks itself. Write your answers down; the table in the next section turns them into a recommendation.

  1. How many active students do you teach in a typical month? Under 5, 5 to 20, or more than 20. Several tools on this list cap the number of clients per plan, so this decides the real price.
  2. How do families pay? Per lesson, in lesson packs, or a monthly subscription. Per-lesson payment works almost anywhere. Packs and subscriptions need a tool that tracks credits.
  3. Do you set work between lessons? If you send practice sets, reading or past papers and want to see whether they were done, you need programs or tasks, not just a calendar.
  4. Do you teach, or plan to teach, group classes? Exam prep cohorts, summer intensives, small group sessions. Group delivery separates booking tools from teaching platforms.
  5. How many tools are you willing to run? A booking app, a payment link, a website, an email tool, a shared drive and a video app add up. Some tutors are happy with three logins; most would rather have one.

Which pick matches your answers?

Find the row closest to your answers. Where two rows fit, the one lower down is usually the better long-term choice because it covers more of the lesson cycle.

How did we rank these 10 tools?

We ranked each tool on what a working tutor pays for in time and money, using what each vendor documents and what public reviewers report; we did not run hands-on tests.

Ranking criteria: one login for the whole student journey, delivery between lessons, total stack cost, and setup effort (including the free white-glove build where it exists).

To keep the comparison concrete, we priced every tool against one example practice: an online maths and science tutor with 15 regular students, most on 10-lesson packs, a few on monthly plans, plus one six-week exam prep group class each spring. About a third of the families live in a different time zone from the tutor. The question for each tool was: how many extra apps would this tutor need to run that practice, and what would the whole stack cost?

1. Coachful: best overall tutoring scheduling software

A tablet showing a client coaching dashboard with session notes, set among maths workbooks and a calculator
Coachful's client view with session notes on a tablet beside a student's workbooks and calculator.

Coachful is the strongest choice when lessons are only part of what you deliver. It is a coaching platform, and a tutoring practice fits its shape closely: sessions sold in packs or subscriptions, work set between sessions, and groups that run for a fixed number of weeks. One membership covers booking, payments, agreements, programs with tasks and check-ins, courses, a community, a website with funnels and email, and an AI assistant.

Booking that respects a tutor's week. Booking pages carry availability rules, buffers and minimum notice, and they detect the student's time zone, so a family in Dubai and a family in Denver each see lesson times in their own clock. Calendars sync two ways with Google, Apple/iCloud and Outlook, which matters if you also teach at a school or centre. Each lesson gets a built-in video room, or Coachful creates a Zoom, Google Meet or Teams link automatically. You can add intake questions to the booking form, which is where you ask for the student's name, year group, subject and exam board when a parent books.

Coachful's sessions calendar in month view, filled with demo 1:1 and group sessions in different colors.

Reminders that reach families. Email reminders go out by default, and once messaging is enabled Coachful adds an SMS reminder 24 hours before and a WhatsApp reminder one hour before. For tutors whose students are teenagers, the WhatsApp nudge an hour out is often the one that gets them to the screen on time.

Lesson packs and subscriptions without spreadsheets. Paid sessions and session credits are built into booking. Sell a 10-lesson pack, and each booking draws down a credit. Payments run through your own Stripe Connect or Razorpay account: one-time packs, monthly subscriptions, payment plans for a full exam year, coupons, refunds, Apple Pay and Google Pay. Coachful takes a 0% platform fee (since August 2026), so you pay only Stripe or Razorpay processing. Each transaction gets an invoice, and you can raise manual invoices for families who pay by bank transfer outside the system. Coaching agreements with e-signature can go out before the first lesson, which is a tidy place for your cancellation policy.

Homework between lessons. This is where Coachful separates from every booking tool on the list. A multi-week program can hold weekly goals, daily tasks, habits and check-ins, with progress bars and streaks. For a tutor, that means a GCSE revision plan with this week's practice set, a daily 15-minute vocabulary habit, or a weekly check-in asking which topic still feels shaky. Courses (modules, lessons, drip, completion tracking) and downloads hold worksheets, past papers and recorded explanations. Everything appears in the student's branded home and app, next to their upcoming lesson.

Group classes and cohorts. Group calls and webinars cover exam prep sessions, and enrolling students in a program creates a cohort group automatically, with a community feed, group chat and direct messages. Multi-coach session types can assign bookings round-robin or to the least-busy tutor, and team plans add seats with per-tutor availability and staff permissions, so a practice can grow into a small tutoring agency without changing platforms.

Coachful client Programs view with an enrolled group program, its current week and members
A demo group program from the client's side, showing the current week, the members and the way in.

A record per student. Each client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with a status of thriving, active, quiet or at risk. Michelle, the built-in AI assistant, works from that live data: it can brief you before a lesson, summarize a recorded session, draft a term update email to families, or build a program outline. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits.

Here is a short walkthrough of how scheduling works inside Coachful:

Why Coachful stands out: a free white-glove service. On every plan, you can open Create, choose "We'll build it for you · FREE", and describe what you want: a tutoring website, a lesson-pack sales page, a funnel for a free diagnostic lesson, a term-long program, a course outline, an intake form, or a welcome email sequence for new families. Attach up to 8 reference links and up to 10 files (logo, photos, copy, a price list you have already set). The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake qualifications, testimonials or prices; gaps are left for you to fill. It does not cover recording videos, logo design, ads or ongoing marketing. Read more about the free white-glove service.

What Coachful does not do. It is not HIPAA-certified and is not for clinical records. It has no PayPal and no permanent free plan. The student app is your branding inside the Coachful app, not your own App Store listing. There are no routing forms that pick a tutor from form answers. Coachful's documentation describes session credits and subscriptions rather than a single auto-repeating appointment series, so if a standing weekly slot booked months ahead is essential, confirm how you would set it up during the free trial.

Price. Plans are flat monthly; lower plans cap the number of clients, Pro is unlimited, and team plans add seats. Monthly plans cancel in one click (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). For a tutor with 15 students, the relevant plan is Solo: $49/month for up to 20 clients.

Who it is for. Tutors who sell packs or subscriptions, set work between lessons, and want group classes, a website and email without adding apps. New tutors can start at Coachful for new coaches; see also Coachful scheduling and program software.

2. Acuity Scheduling: the most complete booking-only tool for tutors

Acuity Scheduling homepage with its headline and main call to action, captured in October 2026
Acuity Scheduling's homepage in October 2026.

Acuity Scheduling is a dedicated appointment scheduler, and for a tutor who only wants booking, packages and reminders, it is the most complete option here. Its pricing page, checked in November 2026, lists client self-scheduling with unlimited services and appointments, automatic time-zone conversion for each client, custom intake forms, and payments and deposits through Stripe, Square, PayPal or Venmo on every plan. Google Meet, Zoom and GoToMeeting integrations handle online lessons.

The tutoring features sit one tier up. Text message reminders (availability varies by country), an appointment waitlist for full slots, packages including payment plans, subscriptions and memberships, and gift certificates all start on Standard. Gift certificates can help around holidays, when relatives may want to buy lessons as a present.

Prices as listed: Starter $20/month ($16/month billed annually) with 1 calendar; Standard $34/month ($27 annually) with up to 6 calendars; Premium $69/month ($55 annually) with up to 36 calendars, multiple time zones for staff, custom CSS and API, and a signed BAA option. Every plan has a 7-day trial with no credit card needed.

Where it stops. Acuity schedules and collects payment; it does not deliver anything between lessons. There are no programs, homework tasks, habit tracking, courses or community. Starter has no packages, so most tutors need Standard. You would still pay for a website, an email tool and somewhere to store worksheets.

Pick it over Coachful if you want the most configurable booking calendar available, need PayPal or Venmo, and are happy to run homework and resources elsewhere.

3. Calendly: the cheapest clean booking link

Calendly homepage with its headline and main call to action, captured in October 2026
Calendly's homepage in October 2026.

Calendly is the plainest way to put a booking link in front of a family for a first trial lesson. On its free plan you get one event type, one calendar connection, one-on-one scheduling and a customizable booking page. The Standard plan, as listed in November 2026 at $10 per seat per month billed yearly, adds unlimited event types, multiple calendars, automations and reminders, and Stripe or PayPal payments. Teams at $16 per seat per month billed yearly adds round-robin scheduling for tutoring centres.

For a tutor, unlimited event types matter: you can have separate links for a 30-minute trial, a 60-minute lesson and a 90-minute exam prep session, each with its own price.

Limits to know. Calendly is a scheduling tool only. There are no client records, notes, programs or homework, no contracts or invoicing, and no intake questionnaires beyond booking questions. Lesson packs and credit tracking are not part of its documented features, so tutors who sell 10-lesson packs end up reconciling payments by hand. Pricing is per seat, which adds up for a centre with several tutors.

Pick it over Coachful if you charge per lesson, keep homework in a separate learning tool your school or students already use, and want the lowest possible monthly bill.

4. Coach Recap: free lesson-pack tracking for tiny rosters

Coach Recap homepage with its headline and main call to action, captured in October 2026
Coach Recap's homepage in October 2026.

Coach Recap suits a tutor just starting out with two or three students. It is built for solo practitioners, and its pricing page, as listed in October 2026, offers a Starter plan free forever for up to 3 active clients (active means a session or booking in the last 90 days), Professional at $29/month for up to 20, and Business at $79/month for unlimited clients. Stripe's standard card fees apply and the vendor takes no cut of payments. App Store prices differ from the website's, and the vendor does not explain why.

The feature that fits tutoring is its programs: session packs or monthly subscriptions paid through Stripe, with sessions used versus remaining tracked on each client. Booking pages support buffers and notice rules, calendars sync two ways with Google and Outlook, and email reminders go out at 24 hours, 1 hour and 15 minutes. Client profiles hold session history, notes, goals and action items with full-text search; intake forms, check-ins, contracts and private chat are included.

Gaps. SMS reminders, group classes, courses and a website are not part of what the vendor lists. The product is aimed at solo practitioners and says it is not for agencies.

Pick it over Coachful if you teach three students or fewer and want to pay nothing until the practice grows.

5. Paperbell: one price for packages and a simple site

Paperbell homepage with its headline and main call to action, captured in October 2026
Paperbell's homepage in October 2026.

Paperbell is a coaching admin tool with a single plan, and its strength for tutors is packages. As listed in October 2026, it costs $97/month ($80.83/month billed annually) with unlimited clients, sessions, files and packages. There are no added transaction fees beyond Stripe or PayPal processing, and a 30-day money-back guarantee. The trial length is not on the pricing page; an older help-centre note described a 7-day trial with the public site offline and client messages and SMS switched off.

A tutor can sell a 10-lesson package, let families book from it, collect a contract and share files through a client portal, and publish a simple website, all in one place. Because the price never changes with roster size, Paperbell looks better the more students you teach.

The trade-offs. There are no courses, no community and no goal or habit tracking, so homework still lives in email or a shared drive. There is no native mobile app; students use the mobile browser. And at five students, $97 a month is a lot to pay for booking and packages.

Pick it over Coachful if you need PayPal and want packages and a basic site under a single fixed price, without homework tracking.

6. Practice Better: structured programs from the wellness world

Practice Better homepage with its headline and main call to action, captured in October 2026
Practice Better's homepage in October 2026.

Practice Better was built for wellness and nutrition practitioners, but its mix of scheduling, billing, programs and a client portal transfers to tutoring better than most. As listed in October 2026: Sprout is free for 3 clients; Starter is $35/month ($25 annually) for 10 clients; Professional is $69/month ($59 annually) for 300 clients; Plus is $99/month ($89 annually) with unlimited clients and 3 admins; Team is $155/month ($145 annually) for 2 practitioners. There is a 14-day trial on paid plans (30 days on Team) and no platform fee stated; payments run on Stripe.

The useful part for tutors is programs: you can build a structured sequence and share it through the portal. Scheduling and telehealth video cover the lessons themselves.

What gets in the way. Much of the vocabulary (charting, practitioners) is clinical, which can feel odd to families booking maths lessons. Evergreen programs, portal branding, a custom URL and SMS reminders only start on Plus, so the SMS reminder a tutor wants costs $99 a month. There is no website builder or funnel pages, and only one practitioner per account below Team.

Pick it over Coachful if your tutoring overlaps with wellness work (for example, study skills alongside nutrition or sleep coaching) and you want practitioner-style charting.

7. Satori: package selling with active-client billing

Satori homepage with its headline and main call to action, captured in October 2026
Satori's homepage in October 2026.

Satori is a coaching practice tool whose billing model suits tutors with seasonal rosters: only active clients count toward your plan. Listed prices in October 2026 were Essentials at $33/month ($27.50 annually) for up to 10 active paying clients, Pro at $49/month ($40.83 annually), and Leader at $124/month ($103.33 annually). An older profile put Pro at 50 active clients and Leader at 150. There is a 15-day trial with no card, a refund if requested within 30 days of signing up, and no Satori fee on payments beyond PayPal and Stripe charges.

Scheduling, a client portal, packages and programs, invoices and contracts cover the core tutoring cycle. If your summer roster drops to six students, the bill drops with it.

Weak spots. An older profile notes no native mobile app and no native Zoom integration, which matters when every lesson is online. There are no landing pages, courses or community, so recorded explanations and group prep need other tools.

Pick it over Coachful if your roster swings a lot through the year, you need PayPal, and you are fine running lesson resources elsewhere.

8. Merkora: a new option with hosted courses and wallet credits

Merkora homepage with its headline and main call to action, captured in October 2026
Merkora's homepage in October 2026.

Merkora is a newer platform for independent experts, and two of its features match tutoring well: session packages where clients see their remaining balance, and a cancellation and no-show policy that issues wallet credits instead of cash refunds. That second one solves a common tutoring headache, the late cancellation, without awkward conversations.

Booking includes automatic confirmations and reminders, intake forms and a waitlist. Hosted video courses, digital downloads and free lead magnets let you sell a recorded revision course alongside lessons, and built-in live streaming covers group sessions. Everything sits on one branded public page.

Pricing, as listed in October 2026: a Free plan that lasts until your first paid sale, after which you have 14 days to move to Professional or new bookings and sales pause; live events on Free are capped at 10 participants. Professional is $79/month, with a limited founding-member rate of $29/month for 12 months (then $39/month). Merkora takes a 0% platform fee; Stripe fees apply.

Caveats. The product appears new, with little public review history, and the founder rate is a limited offer. You get one public page rather than a full website.

Pick it over Coachful if you want to test a paid recorded course before committing, and you are comfortable on a young platform.

9. HoneyBook: contracts and invoices for tutoring businesses

HoneyBook homepage with its headline and main call to action, captured in October 2026
HoneyBook's homepage in October 2026.

HoneyBook is a CRM for service businesses, so it fits tutors who sell to schools, sign agreements with agencies, or send formal proposals for term-long programs. Proposals, contracts, invoices, a scheduler and a client portal are the core. As listed in October 2026, Starter is $29/month billed annually, Essentials $59/month ($49 annually) with up to 2 team members, and Premium $129/month ($109 annually) with unlimited team members. A 30-day free trial needs no card.

The catch for tutors. The scheduler and automations are not on Starter, so a tutor needs Essentials at $59 a month for booking. Payments must run through HoneyBook's own processing; its page lists conflicting card rates (2.7% + 10¢ in the FAQ, 2.9% + 25¢ in the plan comparison), with ACH at 1.5%. There is no coaching or teaching delivery: no programs, courses, check-ins or community. Prices also rose in February 2025.

Pick it over Coachful if most of your revenue comes from contracts with schools or organisations rather than families booking lessons.

10. AttractWell: texting and marketing bundled with booking

AttractWell homepage with its headline and main call to action, captured in October 2026
AttractWell's homepage in October 2026.

AttractWell is an all-in-one marketing platform for coaches and course creators with a feature tutors notice: built-in texting. Every plan includes a monthly text allowance, so reminders and term announcements to parents can go by SMS. It also offers a website, funnels, blog, CRM, email, booking, contracts, invoicing, courses (called vaults), a community and memberships with recurring payments.

Prices as listed in October 2026: Starter $69/month (500 contacts, 100 texts, 2 booking links, no call packages); Basic $99/month (1,000 contacts, 1,000 texts, 10 booking links, 5 call packages); Premium $129/month (4,000 contacts, unlimited booking links and call packages). The first month costs $1 on every plan, with a 0% transaction fee.

Watch the tiers. Call packages, the feature that lets you sell lesson packs, are missing from Starter, so tutors effectively start at $99. Course slots are limited on low plans (1 vault on Starter, 3 on Basic), and Zoom group size is capped by tier. The breadth of marketing tools also means more setup.

Pick it over Coachful if SMS broadcasts to parents are central to how you run the practice and you want heavy marketing automation.

What does each tool cost at 5, 15 and 40 students?

The cheapest tool at five students is rarely the cheapest at forty, because client caps and feature tiers push you up. These are monthly prices as each vendor listed them in October 2026 (Acuity and Calendly checked in November 2026), for the cheapest plan that covers the student count and sells lesson packs where the tool can. Payment processing fees are extra everywhere.

The last column is where the real cost hides. A tutor on Calendly at $10 a month who adds a website builder, an email tool and a course host can easily spend more than an all-in-one plan, and spends hours each week copying data between them. Add up your own stack before deciding; our guide to the cheapest scheduling software for coaches walks through that maths.

How do you set up a tutoring practice in Coachful?

A working setup takes an afternoon, or less if you ask the team to build parts of it. Here is the order we recommend for the example tutor with 15 students, and what a family sees at each step.

A laptop showing a grid of client cards with status tags on a tutor's desk beside a globe and worksheets
Coachful's client grid with status tags on a laptop next to a globe and a pile of worksheets.
  1. Connect your calendar and set your hours. Sync Google, Apple or Outlook two ways, then set availability rules: after-school hours on weekdays, mornings on Saturday, a 10-minute buffer between lessons and 12 hours' minimum notice. The family sees only times that genuinely work, shown in their own time zone.
  2. Create your session types. A free 20-minute trial lesson, a 60-minute lesson and a 90-minute exam prep session. Choose built-in video or an automatic Zoom, Meet or Teams link. Add intake questions: student name, year group, subject, exam board, and what the student finds hardest.
  3. Connect Stripe and build your offers. A 10-lesson pack sold as session credits, a monthly plan as a subscription, and a payment plan for a full exam year. Set your own prices based on your market and experience. The parent sees a checkout with card, Apple Pay or Google Pay, and an invoice in their inbox.
  4. Send your agreement. Put your cancellation policy, notice period and safeguarding basics in a coaching agreement with e-signature, sent before the first lesson and stored on the student's record.
  5. Turn on reminders. Email is on by default; enable messaging for the 24-hour SMS and one-hour WhatsApp reminders. The student gets a nudge on their phone an hour before the lesson.
  6. Build a program for each course of study. For example, "Spring GCSE Maths Revision": weekly goals by topic, daily 15-minute practice tasks, and a Friday check-in asking which questions felt hard. Attach past papers as downloads and short recorded explanations as course lessons. The student sees this week's work next to their next lesson in your branded app.
  7. Set up the group class. Create a six-week exam prep program with group calls. Enrolment creates the cohort group, chat and feed automatically.
  8. Publish your website and a trial-lesson funnel. Use a homepage template or ask the team to build it free. Every button can lead to the trial lesson booking page.
  9. Check the student list weekly. Status tags show which students are thriving and which have gone quiet, so you can message a family before a missed week turns into a cancelled pack.

For more on booking pages specifically, see booking software for coaches and payment software; for cohorts, see group coaching software and the course platform.

What red flags and switching costs should tutors watch for?

The expensive mistakes in tutoring software show up a term later, when you have 20 families on packs and want to move. Watch for these before you commit.

  • Client caps that hit mid-term. Plans capped at 10 or 20 clients look cheap in September and force an upgrade in January when exam season fills your diary. Price the plan for your busiest month, not your quietest.
  • Packages locked to a higher tier. Acuity, AttractWell and others put lesson packages on their second plan. The starter price is not the tutoring price.
  • Reminders that only go by email. Many teenagers check their phone messages long before their email. Check whether SMS or WhatsApp reminders are included or cost extra.
  • No time-zone detection. If the tool shows your local time to every family, someone will join an hour early or late after the clocks change.
  • Payment processors you cannot leave. Tools that require their own processing make it harder to move active subscriptions. Running payments through your own Stripe account keeps subscribers portable.
  • Data you cannot export. Ask how you would get out notes, session history and progress for every student. Coachful exports the full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses), and imports clients, programs and content for you during onboarding.
  • Homework scattered across apps. If practice sets live in email, chat and a shared drive, you lose the record of what each student did. That record is what you show parents at the end of term.

When switching, move in a quiet week, finish current lesson packs in the old tool, and start new packs in the new one. Tell families a week ahead and send the new booking link with a short "what changes for you" note. Which tutoring scheduling software should you choose?

Choose Coachful if you sell lesson packs or subscriptions, set work between lessons, and want group classes, payments, a website and reminders in one place. It is the only tool here that covers the whole lesson cycle, from the trial lesson booking to the homework the student does on Wednesday night, and the free white-glove build removes most of the setup.

Choose Acuity Scheduling if booking is all you need and you want packages, SMS reminders and PayPal. Choose Calendly for a free or very cheap link when you charge per lesson. Choose Coach Recap if you teach three students or fewer and want to pay nothing for now. The others fit narrower cases: Paperbell for one fixed price with PayPal, Practice Better for tutors with a wellness side, Satori for seasonal rosters, Merkora for testing a recorded course, HoneyBook for contract-heavy work, and AttractWell for SMS-driven marketing.

Tutors in neighbouring niches may also find our guides for parenting coaches and ADHD coaches useful, since both deal with families and recurring sessions.

Frequently asked questions

What is the best tutoring scheduling software?

For most tutors with five or more students, Coachful is the best choice because it combines booking, lesson credits, payments, reminders, homework programs and group classes in one membership. If you only need a booking calendar with packages, Acuity Scheduling is the strongest booking-only tool. Calendly is the simplest free option for per-lesson booking.

Can tutoring scheduling software handle different time zones?

Yes, but check before you buy. Coachful detects the student's time zone on its booking pages, and Acuity Scheduling lists automatic time-zone conversion on every plan. If a tool does not mention time-zone detection, test it with a booking from another country during the trial.

How do I sell lesson packages to families?

Use a tool that tracks session credits, so each booking draws down the pack. In Coachful you sell the pack through your own Stripe account and families book from their credits. Acuity, Paperbell, Coach Recap, Satori and Merkora also support packages, though some only on higher plans.

Can parents book and pay while the student attends?

In practice, yes. The parent books and pays, and you use intake questions to capture the student's name, year group and subject. Decide whose contact details go on the record so reminders reach the person who needs them, and keep the data you collect about minors to the minimum.

Do I need SMS reminders for tutoring?

If your students are teenagers, SMS or WhatsApp reminders usually work better than email alone. Coachful sends an SMS reminder 24 hours before and a WhatsApp reminder one hour before once messaging is enabled. Acuity includes text reminders from its Standard plan, and Practice Better from Plus.

Is there free tutoring scheduling software?

Calendly has a free plan with one event type, Coach Recap is free for up to 3 active clients, Practice Better's Sprout plan is free for 3 clients, and Merkora is free until your first paid sale. Each free tier has limits that most growing tutors outgrow within a term. Coachful has no permanent free plan, but offers a free trial.

What is Coachful's free white-glove service?

On every plan, the Coachful team will build things for you inside your own account, such as a tutoring website, a trial-lesson funnel, a revision program outline or a welcome email sequence. You describe what you want and attach up to 8 links and 10 files; it is usually ready within about 24 hours. The team never invents qualifications, testimonials or prices, and it does not record videos or run ads.

Can I run group tutoring classes in the same tool?

In Coachful, yes: group calls and webinars run the sessions, and enrolling students in a program creates a cohort group with chat and a feed. Merkora and AttractWell also support live group events. Booking-only tools like Calendly and HoneyBook are not built for group delivery.

How should I set my tutoring rates?

Start from what local and online tutors in your subject and level charge, then adjust for your qualifications, exam results and session length. Price packs at a modest discount to single lessons so families commit for a term. Check with an accountant about tax registration and invoicing rules where you live, since these vary by country.

Is Coachful suitable for tutors working with students who have learning differences?

Coachful can run lessons, homework and reminders for any student, but it is not HIPAA-certified and is not for clinical or diagnostic records. If a student may need an assessment, suggest the family speak with their school or a qualified specialist, and keep your own notes focused on learning goals and progress.
