10 Best Circle Alternatives for Wellness Coaches (2026 Guide)

10 Best Circle Alternatives for Wellness Coaches (2026 Guide)

The best circle alternatives for wellness coaches are the platforms that keep a warm group space but also handle what Circle leaves to other tools: 1:1 booking, a signed coaching agreement, and daily habits and check-ins between sessions. Circle is a polished community product. A wellness practice, though, lives on small daily behaviors (sleep, movement, hydration, stress routines) that clients track on their own, and that work happens outside the community feed.

Our pick is Coachful, because it runs the whole client journey in one login: booking, agreements, multi-week programs with habits and morning and evening check-ins, courses, a community and the website that brings clients in. We make Coachful, so weigh that, and read the other nine entries as honestly as we wrote them. Each has a "Pick it over Coachful if..." line, and some will genuinely suit you better.

This guide is workflow-led. We break the wellness client journey into four stages (attract, enroll, deliver, retain), show which tool covers which stage, rank the ten options, price two stack recipes at 5, 15 and 40 clients, and finish with migration steps for leaving Circle without losing members. Vendor prices are as listed in October 2026.

Why do wellness coaches outgrow Circle?

Most wellness coaches outgrow Circle when their offer shifts from "join my community" to "work with me on a plan." Circle is built for spaces, posts, events, courses and paid memberships, and it does those well. It has no 1:1 scheduling, no client management back office and no per-client habits, check-ins or coaching plans, per the vendor data we reviewed in October 2026.

To be fair to Circle first: the community experience is refined, spaces are flexible, live events and courses sit inside the same product, and members get iOS, Android and desktop apps (Circle-branded on the self-serve plans). Its Trustpilot score was 4.1 from 129 reviews when we checked on October 25, 2026. If your whole business is a membership with a monthly live call, Circle can be the right home.

The friction starts with the work wellness clients pay for. A client on a 12-week stress and sleep reset needs a booked intake call, a signed agreement that states coaching is not medical care, a daily wind-down habit, an evening check-in that asks how they slept, and a coach who can see who has gone quiet. In a Circle setup that means bolting on a scheduler, an e-signature tool, a habit app and often a form tool, then copying client notes between them.

Price is the other pressure point. As listed in October 2026, Circle Professional is $89 a month billed annually, Business is $199 and Scale is $419; monthly-billed prices are no longer shown on the page (an older profile from September 2026 listed Professional at $129 and Business at $219 billed monthly). Circle also takes a platform fee on payments: 2% on Professional, 1% on Business and Scale, 0.5% on Circle Plus, plus Stripe processing. Branded mobile apps only come with custom-priced Circle Plus, and Email Hub is a $99 a month add-on for 10,000 contacts. Our Circle pricing breakdown covers the add-ons line by line, and the Circle review covers strengths in more depth.

What does a wellness coach's client journey need, stage by stage?

A wellness client journey needs four things in sequence: a way to be found, a clean enrollment, daily support between calls, and a reason to stay or come back. Here is what each stage asks of your software when your clients are working on sleep, stress, energy, movement or eating habits.

Attract: content that builds trust before the first call

Wellness buyers are cautious. They have tried apps and challenges before. They usually want to read your approach, download something useful (a 7-day sleep wind-down guide, a stress reset audio, a hydration tracker sheet) and book a short consultation. You need a website with a blog, a lead-magnet funnel, an email sequence that follows up, and a link-in-bio page for Instagram. Circle has a website feature on every plan, but funnels with pixels and multi-step email sequences sit outside its core.

Enroll: consultation, intake, agreement and payment

This stage is where wellness coaching differs most from a community. You need a booking page with intake questions (current sleep pattern, medications to flag, goals), a coaching agreement that sets scope and states when you will refer out, and payment as a one-off, a payment plan or a subscription. Health coaching bodies such as the National Board for Health and Wellness Coaching stress that coaches work within a defined scope, and the agreement is where you put that in writing.

Deliver: programs, habits and check-ins between sessions

Behavior change happens between calls. Health coaching is generally described as supporting clients to build and sustain their own habits, which means your platform should hand each client a weekly focus, daily tasks, habit trackers with streaks and short morning or evening check-ins. Group calls and a cohort space help, but they sit on top of the individual plan, not instead of it.

Retain: progress, renewals and a community that stays useful

Retention comes from visible progress and a coach who notices drift. You need to see who is thriving and who has gone quiet, offer a maintenance tier or a next program, and keep an alumni community active. Courses and a resource library give graduates something to return to.

A note on scope that applies to every tool below: wellness coaching is not treatment. If a client reports symptoms such as chest pain, fainting, disordered eating, significant weight loss without explanation, signs of depression or anxiety that disrupt daily life, or a medication change, refer them to a doctor, registered dietitian or licensed mental health professional before continuing. None of these platforms makes you a clinical provider, and Coachful is not HIPAA-certified, so clinical records belong in a clinical system.

Which tool covers which stage of the wellness journey?

Only Coachful covers all four stages natively in this list; the others are strong at one or two stages. The table below maps native coverage as documented by each vendor in October 2026. "Partial" means the feature exists but lacks something a wellness coach typically needs.

How did we rank these Circle alternatives?

We ranked by four criteria that matter most when a wellness coach leaves Circle: one login for the whole client journey, between-session delivery (habits, check-ins, programs), total stack cost once you add the tools Circle lacks, and setup effort, including whether someone will build it for you. We did not test these products hands-on; we compared what each vendor documents on its pricing and feature pages, checked in October 2026, and what public reviewers report on Trustpilot or G2.

Ranking criteria: one login for attract-to-retain, native habits and check-ins, all-in cost at 5 to 40 clients, and setup effort with a free build service.

1. Coachful: the full wellness client journey in one place

Coachful is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login; the client gets one branded app. It is built for coaches who deliver programs rather than just sessions, solo coaches growing into a small team, and anyone replacing four to six tools. Compared with Circle, it trades some community polish for everything that happens around the community.

Start with delivery, because that is where Circle stops. In Coachful you build multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. A sleep reset might give week one a "screens off at 10 pm" habit, an evening check-in asking about wind-down and a morning check-in rating sleep quality and energy. Clients see all of it in their branded home and app, and you see completion and check-in rates on their record. More than 40 ready-to-film program templates and coaching flow and journey templates give you a starting structure.

Here is a short walkthrough of how check-ins are built and what clients answer each day.

Each client record pulls together goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with an AI briefing per client and a status of thriving, active, quiet or at risk. For a wellness coach with 20 clients, that status line is the retention tool: you message the "quiet" clients before they drift into cancelling. Our guide to habit tracking apps for wellness coaches goes deeper on why tracking inside the coaching app beats a separate habit app.

Enrollment runs in the same place. Booking pages have availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook sync and built-in video or auto-created Zoom, Meet or Teams links. You can add intake questions on booking, sell paid sessions or session credits, and send email reminders, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. Coaching agreements with e-signature go out before the first call and are stored on the client record, which is where your scope and referral language should live. Payments run through your own Stripe Connect or Razorpay account with one-time charges, subscriptions, payment plans, coupons, Apple Pay and Google Pay. Coachful has charged a 0% platform fee since August 2026, so you pay only Stripe or Razorpay processing.

The community side covers what most wellness coaches used Circle for: a community feed, group chat, direct messages and video events. Cohort groups are created automatically when a client enrolls in a program, so your January sleep cohort gets its own space without manual setup. Courses with modules, drip and completion tracking, plus downloads, videos and bundles, sit in the client's branded home. On the marketing side you get a section-based website builder with a blog and 30 designed homepage templates, booking, application, lead-magnet and checkout funnels with pixels and UTM tracking, a link-in-bio page that sells, and email sequences with triggers, delays, branching and A/B splits.

Michelle, the built-in AI assistant, works from your live practice data: she drafts programs and emails, summarizes recorded sessions and briefs you before a call. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. If you also coach movement and food, the Fitness & Nutrition pack adds a workout builder, nutrition targets, meal plans, recipes, food lookup and private progress photos.

Why Coachful stands out: a free white-glove service. From Create, the "We'll build it for you" card lets you describe what you want built (a website, a funnel, a program, a course outline, an email sequence, a lead quiz) and attach up to 8 reference links and up to 10 files such as your logo, photos and existing copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and any gaps are left for you to fill. One recent example: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. It does not cover recording videos, logo design, ad management or ongoing marketing. Read more in how the white-glove service works.

Coachful Create page with the We will build it for you card
The Create page with the card for requesting a white-glove build.

What Coachful does not do matters for wellness coaches in particular. It is not HIPAA-certified and signs no BAA, so it is not for clinical record-keeping or insurance billing. It has no Garmin, Fitbit, Whoop or Oura sync, Apple Health sync is not publicly available, and there are no stock exercise videos (you attach your own). There is no PayPal and no permanent free plan. The client app ships under the Coachful listing with your branding, not under your own App Store account. And if you run a large public community where most members never buy coaching, Circle's community depth may still suit that part of your business better.

Pricing uses flat monthly plans: lower plans cap the number of clients, Pro is unlimited, team plans add coach seats, and monthly plans cancel in one click (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). To start, open a free trial, then request the white-glove build so your site, first program and intake flow are in place before you invite clients. Clients, programs and content can be imported for you during onboarding. Our Coachful vs Circle comparison lays out the two side by side, and the health coach page shows a wellness-specific setup.

2. Mighty Networks: closest to Circle, community first

Mighty Networks is the most like-for-like swap: a community, courses and events platform with member apps. If your wellness business is primarily a paid membership (a monthly breathwork circle, a menopause support group, a mindful-eating community), Mighty gives you spaces, courses, livestreams and events in one place, much as Circle does.

Mighty Networks homepage promoting community, courses and events for creators
Mighty Networks's homepage in October 2026.

For wellness coaches specifically, the draw is live programming. As listed in October 2026, Launch at $95 a month ($79 billed annually) includes 3 hosts, 10 moderators, 200 GB of storage and 20 hours a month of livestreaming for up to 100 attendees. Scale is $215 a month ($179 annually) with 30 livestream hours and 200 attendees, and Growth is $354 a month billed annually with 40 hours and up to 1,000 attendees. A weekly guided meditation or a group Q&A fits comfortably inside those limits. The 14-day trial needs no credit card and includes Growth features.

The limits mirror Circle's. Mighty has no 1:1 scheduling, invoicing or contracts, and no per-client habits, check-ins or private coaching plans. Member apps carry Mighty's branding; your own branded apps require custom-priced Mighty Pro. Mighty also takes a platform fee on sales: 2% on Launch, 1% on Scale and 0.5% on Growth and Mighty Pro, on top of Stripe processing. On Trustpilot it held 3.3 from 219 reviews on October 25, 2026, lower than Circle's 4.1.

In practice, a wellness coach moving from Circle to Mighty mostly changes the community vendor, not the stack. You would still need a scheduler for discovery calls, an e-signature tool for agreements and a habit app or spreadsheet for daily tracking. That is fine if most of your revenue is membership dues and your 1:1 work is small. Our Circle vs Mighty Networks comparison covers the differences between the two in detail.

Pick it over Coachful if your business is mainly a large paid community with live sessions, and individual programs with habits and check-ins are a small side of what you sell.

3. Kajabi: courses and marketing under one roof

Kajabi suits the wellness coach whose growth plan is a signature course plus a membership, sold through email and funnels. It combines courses, a community, a website, funnels and email, so the attract stage is much stronger than Circle's out of the box.

Kajabi homepage promoting courses, community and marketing tools for creators
Kajabi's homepage in October 2026.

Consider a coach selling a "Calm Nervous System" video course, a follow-on membership and a quarterly retreat waitlist. Kajabi can host the course, run the email nurture, build the sales pages and hold the community. As listed in October 2026, Basic costs $179 a month ($143 billed annually) with 5 products, 2,500 contacts, 1 community, 1 website, 2 admin users and 0 AI credits. Growth is $249 a month ($199 annually) with 50 products, 25,000 contacts and 500 AI credits; Pro is $499 a month ($399 annually). The trial runs 14 days; a card is optional, but if you enter one Kajabi places an authorization hold.

Where it falls short for wellness work is delivery to individuals. Coaching in Kajabi is handled as products and communities, not per-client plans, and there is no habit tracking or daily client check-in. The Basic plan's 2,500-contact cap can bite once a free sleep guide starts pulling in sign-ups. Kajabi Payments charges 2.9% + $0.30 on Basic in the US, and using another processor (other than PayPal) adds a Kajabi fee of 2% on Basic, 1% on Growth or 0.5% on Pro. Trustpilot showed 3.4 from 2,347 reviews on October 25, 2026.

Cost is the main hurdle for a solo wellness coach: Basic alone is above Circle Professional's annual price, before a scheduler or e-signature tool. See our Kajabi alternatives guide if you are weighing that spend.

Pick it over Coachful if your revenue is mostly self-paced courses sold through heavy email marketing, and you rarely run individual programs that need daily tracking.

4. Skool: the low-cost gamified group

Skool keeps things simple: a community, a classroom and a calendar in one group, with leaderboards that reward participation. Some wellness coaches like that gamification for challenge-style offers such as a 30-day walking challenge or a hydration streak group.

Skool homepage promoting communities with a classroom, calendar and leaderboards
Skool's homepage in October 2026.

Pricing is the headline. As listed in October 2026, Hobby is $9 a month ($7.50 billed annually) and Pro is $99 a month ($82.50 annually), both with unlimited members, courses, videos and live calls. The catch is in transaction fees: Hobby takes 10% + 30¢ on every sale, while Pro charges 2.9% + 30¢ on transactions up to $899 and 3.9% + 30¢ above $900. Payments run only through Skool Payments, with weekly payouts on Wednesdays. The pricing page did not state trial length or card requirements when we checked.

For a wellness practice, Skool is narrow. It has no custom-domain website, no funnels, no email automation and no public API, and it has no 1:1 client records, intake forms, habits or check-ins. Leaderboards reward posting and engagement, which is not the same as tracking whether a client slept seven hours. Trustpilot showed 1.6 from 54 reviews on October 25, 2026, a small sample. Our Skool vs Circle comparison covers the community trade-offs.

Skool works best as a top-of-funnel group: a free community that feeds paid coaching run somewhere else. If you go that way, budget for a separate site, email tool, scheduler and agreement tool.

Pick it over Coachful if you want the cheapest possible gamified community for a challenge or no-cost group, and you will run paid 1:1 work in a different tool.

5. Podia: a tidy storefront for a few wellness products

Podia is a simple storefront where courses, downloads, webinars, coaching sessions and a community share one checkout. For a wellness coach with a short product list (a meal-prep guide, a stress course, a monthly group), that simplicity is the appeal.

Podia homepage promoting a storefront for courses, downloads and community
Podia's homepage in October 2026.

As listed in October 2026, Mover costs $49 a month ($42 billed annually) with 50 products, 25 community spaces and 100 email subscribers, and Podia takes a 5% fee on sales. Shaker is $99 a month ($84 annually) with 0% Podia fee and 500 email subscribers; Earthquaker is $179 a month ($150 annually) with unlimited products and 1,000 subscribers. Stripe or PayPal processing applies on top. The 14-day trial needs no card. Trustpilot showed 4.1 from 153 reviews on October 25, 2026.

Those email allowances are the first limit a wellness coach will notice. A popular free resource can pass 500 subscribers quickly, and nurture email is how most wellness buyers get from "interested" to "booked". An older profile from September 2026 also notes no mobile app and no native video calls, so group sessions run on Zoom. There are no client habits, check-ins or per-client plans.

Podia fits coaches who sell products more than programs: you publish a few things, sell them, and see buyers in the community. It does not help you see whether a client is following the plan you gave them.

Pick it over Coachful if you sell a handful of digital wellness products and occasional sessions, and you want the simplest possible storefront.

6. Ruzuku: cohort courses with live sessions built in

Ruzuku is a course platform with built-in live video, discussions and direct messages on every plan. For wellness coaches who run cohort programs (an eight-week mindful eating course with weekly live sessions), it covers more of the delivery stage than most course tools, and it is the only option here with a free plan that includes live meetings.

Ruzuku homepage promoting online courses with live sessions and discussions
Ruzuku's homepage in October 2026.

As listed in October 2026, the Free plan allows up to 5 enrolled students at a time, with no card required. Core is $99 a month ($83.08 billed annually) and Pro is $199 a month ($166.42 annually), both with unlimited students and courses. Every plan has a 0% transaction fee, with only Stripe or PayPal processing. Built-in meetings handle up to 60 people in conference mode and 250 in presentation mode, and Zoom is supported. Course steps can drip by enrollment date or fixed dates, and you can sell one-time, subscription or payment-plan access. A 30-day money-back guarantee applies to paid plans.

The gaps are in enrollment and individual delivery. Ruzuku has no booking calendar, so discovery calls and 1:1 sessions need a separate scheduler. There are no habit trackers, daily check-ins or client records with intake answers. There is no website builder or funnel tool to attract clients either. Ruzuku displays a G2 rating of 4.4 on its site; we could not verify the review count.

Coaches are one of several audiences Ruzuku serves (alongside creatives, nonprofits and teachers), which shows in its course-first design. A dripped daily lesson can stand in for a daily task, but nothing records whether the client did it.

Pick it over Coachful if you run small, live, course-shaped cohorts, want a no-cost plan for up to five students, and handle 1:1 booking elsewhere.

7. LearnWorlds: interactive wellness education

LearnWorlds is a course and learning platform with a website builder, page funnels, mass email, SCORM and interactive video. Wellness coaches who teach (a nutrition fundamentals course, a workplace stress program sold to employers) may value its quizzes, interactive video and assessments.

LearnWorlds pricing page showing Starter, Pro Trainer, Learning Center and Corporate plans
LearnWorlds's pricing page in October 2026 (shown in euros).

As listed in October 2026, Starter is $29 a month ($24 billed annually) with 1 admin, 1,000 active learners a month and 300 AI credits, but charges $5 per paid enrollment. Pro Trainer is $99 a month ($79 annually) with 5 admins, 2,000 active learners, 15 page funnels and 2,000 mass emails a month, and no LearnWorlds fee on sales. Learning Center is $299 a month ($249 annually) with up to 10 client groups, useful for corporate wellness programs. The 30-day trial needs no card, though the school is scheduled for deletion if you do not upgrade. Trustpilot showed 4.8 from 423 reviews on October 25, 2026.

It is not built for 1:1 client management, habits or check-ins. A branded mobile app is a separately priced add-on, and self-serve plans cap active learners each month. That $5 enrollment fee on Starter adds up quickly for a coach running frequent low-price workshops.

LearnWorlds rewards coaches who think of themselves as educators first. If your clients mostly need to learn something, it is strong; if they mostly need to do something every day and report back, you will need another tool alongside it. Our course platforms for wellness coaches roundup compares it with other course tools.

Pick it over Coachful if interactive, assessment-heavy courses are your main product, or you sell structured wellness training to employers and need learner groups.

8. Thinkific: course-led programs with a community attached

Thinkific is a course platform that has added communities, memberships, coaching and webinar products. For wellness coaches with a deep course library who want a community next to it, Thinkific keeps learners in one place.

Thinkific homepage promoting course and community products for creators
Thinkific's homepage in October 2026.

Prices rose about 10% on August 13, 2026. As listed in October 2026, Start is $109 a month ($82 billed annually) with 1 community of 10 spaces, 5 live community events and a maximum group size of 50. Grow is $219 a month ($164 annually) with 3 communities and group sizes of 100; Expand is $499 a month ($374 annually). Using Thinkific Payments means no Thinkific transaction fee, at a processing rate the vendor puts "in line with other processors at 2.9%". Third-party gateways carry an extra fee that the pricing page does not list. Every self-serve plan has a 30-day trial.

For wellness delivery, the gaps are familiar. An older profile from September 2026 notes no built-in 1:1 scheduling, so coaching relies on external booking links. There are no client habits, daily check-ins or per-client plans, and a branded mobile app is a $199 a month add-on. Trustpilot showed 1.8 from 868 reviews on October 25, 2026, the lowest score in this list on a large sample.

Thinkific makes sense if your Circle community was really a course with a discussion area. If it was where clients posted daily wins, the five-event limit on Start may feel tight. See our Thinkific alternatives guide for more context.

Pick it over Coachful if you already own a large course library, want course-first architecture, and only need a modest community beside it.

9. Kartra: marketing suite with calendars

Kartra is an all-in-one marketing suite: pages, funnels, email and SMS, memberships, calendars and a helpdesk. Unlike most tools here, it covers both attract and part of enroll, because calendars come built in.

Kartra homepage promoting pages, funnels, email and memberships in one suite
Kartra's homepage in October 2026.

As listed in October 2026, Essentials is $59 a month ($52 billed annually) but caps you at 500 contacts, 5 pages, 1 product and 1 membership, with a 5% transaction fee. Starter is $119 a month ($99 annually) with 2,500 contacts, unlimited pages, products and memberships, unlimited email and SMS, 5 team members and 0% transaction fee. Growth is $229 a month ($189 annually) with 12,500 contacts. Kartra offers a 14-day trial and a 30-day money-back guarantee. Trustpilot showed 3.2 from 129 reviews on October 25, 2026.

For a wellness coach, the weakness is everything after the sale. Kartra has no client habits, check-ins or per-client coaching plans. An older profile from September 2026 notes no mobile app for students or admins, and funnels and memberships are not portable to other platforms, which matters if you leave later. Community is a membership area, not a social space like Circle's.

Kartra suits coaches who run launches: a free 5-day energy challenge, an SMS reminder sequence, a webinar and a sales page. If that is your growth engine, its marketing depth is real. Expect to keep a separate tool for daily client support.

Pick it over Coachful if SMS and email launch campaigns drive most of your sales and you deliver coaching in a separate tool or by hand.

10. Systeme.io: funnels and email for the smallest budget

Systeme.io is a low-cost marketing suite with funnels, email, courses, a basic community, a blog and an affiliate program. It is here because a new wellness coach can start the attract stage for nothing.

Systeme.io homepage promoting funnels, email marketing and courses on a free plan
Systeme.io's homepage in October 2026.

As listed in October 2026, the Free plan never expires and includes 2,000 contacts, 3 funnels, 1 course with up to 500 students, a blog, a custom domain, 1 automation rule and 1 email campaign. Startup is $17 a month (5,000 contacts, 10 funnels, 5 courses), Webinar is $47 (10,000 contacts) and Unlimited is $97. Every plan, including Free, charges 0% transaction fees, so you pay only Stripe or PayPal processing. Trustpilot showed 4.9 from 8,696 reviews on October 25, 2026.

The trade-off is depth. An older profile from September 2026 notes no native 1:1 scheduling with client records, habits or check-ins, basic community and course features, and no branded mobile app. A wellness coach would use Systeme.io to grow a list from a free guide and sell a starter course, then move delivery elsewhere.

That makes it a front end rather than a Circle replacement. If you came to Circle for its community feel, Systeme.io's community will feel thin. If you mostly need landing pages and email on a tight budget, it is hard to beat on cost.

Pick it over Coachful if you are pre-revenue, need only a funnel and email list for now, and are not yet coaching clients on structured programs.

What does a Circle replacement stack cost at 5, 15 and 40 clients?

An all-in-one replaces Circle plus three or four extra tools, while an assembled stack keeps a community tool and adds a scheduler, e-signature and a habit or check-in tool. The table shows the community or core platform cost as listed in October 2026, using annual billing where the vendor shows it. Assembled stacks need extra tools that are not included in these figures, so check those vendors' current pricing before comparing totals.

Recipe A: the all-in-one

One platform for site, funnels, booking, agreements, payments, programs with habits and check-ins, courses and community. Coachful is the option on this list that covers all of it, with a 0% platform fee and pricing that scales by client count (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). The real saving is less obvious than the subscription line: no copying intake answers from a form tool into a notes app, no chasing a signed agreement in a separate inbox, and one place to see that a client stopped checking in on Tuesday.

Recipe B: the assembled stack

Keep Circle or Mighty Networks for community, then add a scheduler with intake questions, an e-signature tool for agreements, a habit or check-in app for clients, and an email tool if your plan lacks one. At 5 clients this can work, since you can track habits by hand. At 15 clients the copying between tools becomes a weekly chore. At 40 clients you are paying for four or five subscriptions, plus Circle's 2% fee on Professional, and your clients are juggling as many logins. If you go this route, pick a scheduler and habit tool that both export data, so you can consolidate later.

How would a wellness coach set this up in Coachful?

A typical setup takes one working session plus a white-glove request. Here is an example for a sleep and stress coach moving a 25-member Circle community and 8 private clients.

A laptop and tablet showing a coaching journey library and an enrolled group program in a quiet home office
Coachful's journey library on a laptop and a client's enrolled program on a tablet, shown with demo data.
  1. Request the build. Open Create, choose "We'll build it for you", and ask for a homepage, an About page, a "Work With Me" page and a free "7-Night Wind-Down" lead-magnet funnel. Attach your logo, photos and current Circle welcome post.
  2. Set up booking. Create a free 20-minute consultation and a paid 60-minute session type. Add intake questions on sleep hours, caffeine, current stressors and "Are you under medical care for sleep, mood or a heart condition?" Set buffers and minimum notice, and connect Google, Apple or Outlook calendar.
  3. Write the agreement. Add your coaching agreement with scope language: coaching is not medical or psychological treatment, and you will refer the client to a doctor or licensed professional if red flags appear. It is sent for e-signature before the first call.
  4. Build the program. Start from a program template and shape a 12-week "Reset Your Rest" program. Week one: a screens-off habit, an evening check-in on wind-down, a morning check-in rating sleep and energy. Add weekly goals and drip a short course lesson each Monday.
  5. Set up payment. Connect Stripe or Razorpay, then offer the program as one payment or a three-month payment plan with a coupon for existing Circle members.
  6. Move the community. Enrolling clients in the program creates their cohort group automatically. Post your pinned resources in the community feed and schedule the monthly live Q&A as a video event.
  7. Turn on follow-up. Build a sequence for lead-magnet sign-ups: welcome, a sleep tip on day 2, a client-style example on day 4 (labelled as an example, not a testimonial), and a consultation invite on day 6.
  8. Review weekly. Check client statuses each Friday and message anyone marked quiet or at risk. Ask Michelle for a briefing before each session.

How do you migrate from Circle without losing members?

Export first, run both platforms in parallel for a short overlap, and cancel Circle only after members are active in the new home. Circle lets you export a members CSV and a subscriptions CSV at any time, but per an older profile from September 2026, posts and content have no bulk export.

  • Export members and subscriptions as CSV before anything else, and keep a dated copy.
  • Save evergreen posts by hand. Since posts cannot be bulk-exported, copy your best guides, welcome posts and resource lists into documents and republish them as course lessons or pinned posts.
  • Plan paid subscriptions carefully. Confirm how each active subscription will move before you cancel anything, and tell paying members exactly when billing switches.
  • Check your renewal date. Circle's listed prices are annual; time your move so you are not renewing for a year you will not use.
  • Use onboarding help. In Coachful, clients, programs and content are imported for you during onboarding, and the white-glove team can rebuild your welcome flow.
  • Announce twice. Post the move in Circle two weeks ahead and again the week before, with a short video showing members where to log in.
  • Restart one ritual first. Launch a familiar habit, such as the Monday intention thread or weekly breathwork call, in the new space on day one so members have a reason to show up.

Which Circle alternative should a wellness coach choose?

Choose Coachful if your clients pay you for change they make day to day, because it is the only option here that covers booking, agreements, habits, check-ins, community and marketing in one login. Choose Mighty Networks if you want to stay community-first with live sessions. Choose Kajabi or LearnWorlds if courses are the product, Skool or Systeme.io if budget comes first, and Ruzuku if you run small live cohorts.

Circle remains a capable community tool. The question for a wellness coach is whether a community is the business or one part of it. If it is one part, consolidating saves money on extra tools and gives you a clear view of which clients are keeping their habits. For a broader view, see the best software for wellness coaches and our community platforms for wellness coaches comparison.

Frequently asked questions

Is Circle good for wellness coaches?

Circle is good for the community part of a wellness business: spaces, events, courses and paid memberships. It has no 1:1 scheduling, client back office, or per-client habits and check-ins, so wellness coaches usually add other tools for those.

What is the best Circle alternative for wellness coaches?

For coaches who run individual or group programs with daily habits, Coachful is our pick because it combines community with booking, agreements, programs and check-ins. For a membership that is almost all community, Mighty Networks is the closest swap.

Does Circle have habit tracking or check-ins?

No. Based on vendor information we reviewed in October 2026, Circle has no per-client habits, check-ins or coaching plans. Coaches typically use a separate habit app or forms for that.

How much does Circle cost in 2026?

As listed in October 2026, Circle Professional is $89 a month and Business $199 a month, both billed annually, and Scale is $419 a month billed annually. Circle also takes a 0.5% to 2% fee on payments depending on plan, plus Stripe processing.

Can I move my Circle community without losing members?

Yes, if you plan it. Export the members and subscriptions CSVs, copy evergreen posts by hand since they cannot be bulk-exported, run both spaces briefly in parallel, and give members clear login instructions before you close the old one.

What is Coachful's free white-glove service?

It is a build service included on every plan. You describe what you want (a website, funnel, program, course outline or email sequence), attach links and files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design or ad management.

Is Coachful HIPAA-compliant for wellness coaching?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical records or insurance billing. Wellness coaching that stays within a coaching scope can run on it; clinical care belongs in a clinical system.

Does Coachful sync with wearables like Fitbit or Oura?

No. Coachful does not sync with Garmin, Fitbit, Whoop or Oura, and Apple Health sync is not publicly available. Clients log habits and check-ins directly in their branded app.

When should a wellness coach refer a client out?

Refer out when a client describes symptoms or conditions that need diagnosis or treatment, such as chest pain, fainting, signs of disordered eating, persistent low mood or a medication change. Put this referral policy in your coaching agreement so clients know it from the start.

Can I still run a large free community alongside paid coaching?

Yes. Many coaches keep a community feed for everyone and private cohort groups for paying clients. In Coachful, cohort groups are created automatically on program enrollment, while the main community feed stays open to the wider group.
