How to Migrate From GoHighLevel Without Losing Clients

To migrate from GoHighLevel without losing clients, export your contacts, opportunities and conversations to CSV before you cancel, rebuild your funnels and booking pages in the new platform (HighLevel snapshots only work inside HighLevel), recreate each paying client's subscription on the new checkout, and run both systems side by side for about two weeks. Most solo coaches can finish the move in four weeks. This guide gives you the export list, a data map, a week-by-week timeline, paste-ready client emails, the payment plan and a cutover checklist.
We make Coachful, so we have a stake in where you land. We have kept the GoHighLevel facts to what HighLevel documents on its own pages and what public reviewers report, dated October 2026, and we say plainly where GoHighLevel does things Coachful does not.

Why do coaches leave GoHighLevel?
Most coaches who leave GoHighLevel are not unhappy with its marketing tools. They leave because they bought an agency platform and spend more time configuring it than coaching inside it. The reasons below come up again and again, and it is worth checking which ones are actually yours before you move.
First, be fair about what GoHighLevel does well. It is a strong marketing CRM built around sub-accounts for agencies. It has multi-stage opportunity pipelines, two-way SMS and email conversations, a large workflow builder, funnels, websites, calendars, invoicing, courses and communities. Its Trustpilot score was 4.9 from 15,250 reviews when we checked on October 25, 2026. If your business runs on high-volume SMS follow-up, phone calls and a sales pipeline worked by a team, GoHighLevel is built for exactly that.
Here is where coaches tend to struggle:
- Setup effort. GoHighLevel gives you building blocks. A coaching practice has to be assembled from pipelines, workflows, forms and calendars, and some coaches buy snapshots or hire a builder to get there.
- Price and metered usage. As listed in October 2026, Starter costs $97 per month ($970 per year), Unlimited $297 per month and Agency Pro $497 per month. SMS, email, phone numbers and AI are metered and billed on top of the plan. Add-ons include the Branded Client Portal App at $49 per month per sub-account, WhatsApp at $10 per month per sub-account, AI Employee from $50 per month per sub-account and HIPAA compliance at $297 per month.
- Client delivery between sessions. GoHighLevel has no habit tracking, client check-ins or structured coaching-program engine. You can imitate them with workflows and forms, but the client experience is a string of emails and links rather than a program they follow day to day.
- Video calls. There are no built-in video rooms; calendars create Zoom or Google Meet links.
- Agency features you do not use. Sub-accounts, SaaS Mode and rebilling are valuable to agencies and dead weight for a solo coach.

Should you stay on GoHighLevel instead?
Stay if your revenue depends on features Coachful does not have. Moving is only worth it if the new platform covers what you actually use every week.
Coachful does not have a multi-stage sales deal board for large teams, and it has no HubSpot or Salesforce integration. It does not offer routing forms that pick a host from form answers, PayPal payments, or a HIPAA-compliant setup with a BAA. Its SMS covers session reminders (24 hours before) and WhatsApp reminders (1 hour before) once messaging is enabled; it is not a two-way SMS marketing inbox. If you run an agency with client sub-accounts, resell software under your brand, or have setters working a pipeline by phone, GoHighLevel fits that model better.
Move if your week is mostly coaching: sessions, programs, check-ins, a group, a course and a handful of funnels. That is the business Coachful is built for.
What can you export from GoHighLevel?
You can export contacts (including custom fields), opportunities and conversations to CSV. Funnels, websites and workflows are portable only as snapshots inside HighLevel, so you cannot download them as files to import elsewhere. After you cancel, your data becomes inaccessible, so export everything first.
HighLevel documents its export steps in its help center; check the current articles there before you start, because menus change. Here is what to expect, data type by data type:
- Contacts. Export the full contact list with custom fields and tags to CSV. Do it per sub-account if you used more than one. This file is the backbone of the migration.
- Opportunities. Export each pipeline to CSV so you keep the stage of every open lead.
- Conversations. Export conversation history to CSV as an archive. You will not need to import years of SMS threads, but you may want them for reference.
- Funnels and websites. No file export. Take full-page screenshots of every page you plan to keep and save the copy into a document. Save your images and logos from your own files or the media library.
- Workflows. No file export. Write down each workflow you actually rely on: its trigger, its delays and the message at each step. Most coaches find only a handful matter.
- Forms and surveys. Copy the questions into a document, and check whether past answers appear in your contact export.
- Courses and community. Keep your original video files and lesson text. Note which members have access to what, so you can re-grant access later.
- Payments. Your payment history lives in your payment processor (Stripe, PayPal or another gateway). Export a list of active subscriptions from the processor itself.
- Agreements and documents. Download signed agreements as PDFs where you can, and store them per client.
Write the export date on every file. If anything changes in HighLevel after that date, you will know which records to re-export.
How does GoHighLevel data map to Coachful?
Most GoHighLevel objects have a direct home in Coachful; a few are rebuilt rather than imported, and a few have no equivalent. The table shows where each one goes.
| GoHighLevel object | Where it goes after the move | How it moves |
|---|---|---|
| Contacts and custom fields | Client records and Prospects | CSV import, done for you during onboarding |
| Tags | Client tags | Travel with the contact import |
| Opportunities and pipelines | Prospects with lead stages | Import open leads; no multi-stage deal board for large teams |
| Conversations (SMS and email) | Email inbox and direct messages going forward | Keep the CSV as an archive; start fresh threads |
| Calendars | Booking pages and sessions | Rebuild with availability rules, buffers and minimum notice |
| Funnels | Booking, application, lead-magnet and checkout funnels | Rebuild from templates or the free white-glove build |
| Websites | Section-based website builder with blog | Rebuild; Import website option or white-glove build |
| Workflows | Email sequences and automations | Recreate the few that matter |
| Email campaigns | Email lists, broadcasts and sequences | Import contacts with consent status; rebuild templates |
| Forms and surveys | Intake questions, forms and worksheets | Rebuild questions |
| Courses and memberships | Courses with modules, lessons and drip | Imported for you during onboarding |
| Communities | Community feed, group chat, cohort groups | Re-invite members |
| Invoices and products | Offers, invoices and checkout on your Stripe | Recreate offers; see the payments section |
| Documents and contracts | Coaching agreements with e-signature | Upload signed PDFs; new agreements signed in the new app |
| Phone numbers, call tracking, reputation tools | No equivalent | Keep a separate tool if you need them |

Open leads land on the Prospects page, where each lead keeps its source and stage. It is a lead list for a coaching practice, not a sales floor, which is the honest trade-off when you leave GoHighLevel's pipelines.

What is the step-by-step migration timeline?
Plan four weeks: one to audit and export, one to build, one to invite clients while both systems run, and one to move payments and switch off. If you have fewer than 15 active clients and no course, you can compress it into two weeks.

| Week | What you do | Done when |
|---|---|---|
| Week 1: audit and export | List what you use, export contacts, opportunities and conversations, screenshot funnels, write down workflows, export subscriptions from your processor | Every file saved and dated |
| Week 2: build | Start the free trial, connect Stripe, set booking pages, request the white-glove build for site and funnels, hand over the client import | You can book, pay and sign as a test client |
| Week 3: invite and run in parallel | Email clients, invite them into the app, enroll them in programs, book new sessions in the new app | Every active client has logged in once |
| Week 4: payments and cutover | Move subscriptions, point your domain, switch forms and links, final export, cancel GoHighLevel before the next renewal | No live link or charge depends on GoHighLevel |
Step 1: Audit what you actually use
Open GoHighLevel and list every funnel, calendar, workflow, form, course, community and product that had activity in the last 90 days. Everything else is a candidate to leave behind. Note your renewal date so you cancel before the next charge.
Step 2: Export your data
Run the exports from the section above. Check the contact CSV opens cleanly in a spreadsheet, that custom fields came through, and that the row count matches the contact count in GoHighLevel. Keep a column for email consent so you do not re-mail people who unsubscribed.
Step 3: Set up Coachful's core
Start a free trial, then connect your own Stripe account through Stripe Connect (or Razorpay). Set up your booking pages with availability rules, buffers, minimum notice and time-zone detection, and connect Google, Apple/iCloud or Outlook calendars with two-way sync. Choose built-in video or auto-created Zoom, Meet or Teams links. Add your coaching agreement so new clients sign it with e-signature before the first call.

This short walkthrough shows the onboarding flow in Coachful:
Step 4: Rebuild funnels and your website
Because HighLevel snapshots cannot leave HighLevel, every funnel is a rebuild. Use your screenshots and copy document. Coachful has about 25 funnel templates for booking, application, lead-magnet and checkout funnels, with Meta Pixel, GA4 and UTM tracking. The website builder has 30 designed homepage templates, a blog, SEO settings, custom domains and an Import website option. Or hand the screenshots to the Coachful team through the free white-glove build (more on that below).

Step 5: Recreate the workflows that matter
Go through your workflow notes and keep only the ones that earn money or save you time. Typical keepers: lead-magnet nurture, booking reminders, a new-client welcome and a post-program follow-up. Booking reminders are built into Coachful's scheduling, so you can drop those workflows. Rebuild nurture and welcome flows as email sequences with triggers, delays, branching and A/B splits.

Step 6: Import clients and content
Clients, programs and content are imported for you during onboarding. Send the contact CSV, your course files and your program outlines. Then check a sample of client records: name, email, tags and any notes you carried over.
Step 7: Build the between-session layer
This is the part GoHighLevel never had, and it is usually why coaches switch. Turn your coaching offer into a program with weekly goals, daily tasks, habits and morning and evening check-ins. Coachful has more than 40 ready-to-film program templates to start from, and cohort groups are created automatically when clients enroll.

Step 8: Invite clients and run in parallel
Send the emails below, invite clients into the app, and book every new session in Coachful from this point. Leave GoHighLevel running for existing bookings and billing until week 4.
Step 9: Cut over and cancel
Move subscriptions, point your domain, update every link, run a final contact export, then cancel GoHighLevel before the renewal date. Work through the cutover checklist further down.
What should you tell your clients?
Tell clients what is changing, why it helps them, and the one thing you need them to do. Three emails cover most moves: an announcement, an invite, and a billing note for anyone on a subscription. Paste, edit the brackets and send from your own email address.
Email 1: the announcement (send at the start of week 3)
Subject: A better home for our coaching, starting [date]
Hi [first name],
From [date], our coaching moves to a new app. You will have one place for our sessions, your program, your check-ins and our messages, instead of a mix of emails and links.
Nothing changes about our work together or your booked sessions. In the next few days you will get an invite to set up your login. It takes about two minutes.
If you have any questions, just reply to this email.
[Your name]
Email 2: the invite (two days later)
Subject: Your login for [business name] is ready
Hi [first name],
Your coaching space is ready. Here is what to do:
1. Open the invite email from [business name] and set your password.
2. Download the app on your phone, or use it in your browser.
3. Complete your first check-in, so I can see where you are this week.Your upcoming sessions are already there. From now on, please book and reschedule inside the app.
See you on [next session date],
[Your name]
Email 3: the billing note (for subscription clients, week 4)
Subject: One quick step for your [program name] payments
Hi [first name],
As part of the move, your monthly payment for [program name] is moving to the new checkout. Your current payment method will not carry over automatically, so I need you to set it up once.
Your current subscription will end after your payment on [date]. Please use this link to start the new one at the same price of [amount] per month, starting [date]: [checkout link]
You will not be charged twice. If anything looks off, reply and I will sort it out.
[Your name]
If you also email your wider list about the move, remember that commercial email has to follow the rules the FTC sets out in its CAN-SPAM compliance guide: a valid postal address, a clear opt-out, and opt-outs honored within 10 business days. Do not re-add contacts who unsubscribed in GoHighLevel.
How do payments and subscriptions move?
They do not move automatically. A subscription lives in the payment account where it was created, and neither platform can transfer a client's active subscription, or their card, into the other platform's checkout for you. Plan for each recurring client to start a new subscription in Coachful.
Here is how to handle it precisely:
- Find every active subscription. Export the list from your payment processor, not just from GoHighLevel, so you do not miss anything. Note each client's amount, billing date and end date.
- Recreate the offer in Coachful. Set up the same price as a subscription or payment plan on your own Stripe account. Coachful supports one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay, Google Pay and Stripe Tax.
- Time the switch. Cancel the old subscription at the end of the current billing period, and start the new one on the next billing date. That way nobody pays twice and nobody gets a free month.
- Send the checkout link. Email 3 above does this. Clients enter their card once on the new checkout.
- Payment plans with fixed instalments. Recreate only the remaining instalments in Coachful, or let the old plan finish where it is if only one or two payments are left.
- PayPal subscribers. Coachful does not support PayPal. Those clients need to switch to a card, Apple Pay or Google Pay on the new checkout.
- Same Stripe account or new one? If you connect the same Stripe account to Coachful that GoHighLevel used, your past payment history stays in one place. Before you disconnect GoHighLevel from Stripe, check with HighLevel's help center and Stripe how existing subscriptions behave, and cancel the old ones yourself at period end so billing is never left to chance.
Coachful charges a 0% platform fee on sales (since August 2026); you pay only Stripe or Razorpay processing. Every transaction gets an invoice, and you can send manual invoices too.

More detail on the payments side is on the coaching payment software page.
What does the cost look like after the move?
The plan price is only part of the bill on GoHighLevel, because SMS, email, phone and AI usage are metered on top. On Coachful, booking, payments, programs, courses, community, website, funnels and email are included in your Coachful membership.
| Platform | Entry price | Usage and fees | Client app |
|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | 0% platform fee; Stripe or Razorpay processing only | Coach's branding inside the Coachful app, included |
| GoHighLevel Starter | $97/month or $970/year | SMS, email, phone and AI metered separately | Branded Client Portal App add-on, $49/month per sub-account |
| GoHighLevel Unlimited | $297/month or $2,970/year | Phone and email rebilled at cost | Same add-on |
| GoHighLevel Agency Pro | $497/month or $4,970/year | Rebilling with markup for agencies | Same add-on; white-label mobile app $497/month |
GoHighLevel prices are as listed on its pricing page in October 2026. Coachful's plans are flat monthly plans: lower plans cap the number of clients, Pro is unlimited (Pro: $99/month with unlimited clients), and team plans add coach seats. Monthly plans cancel in one click. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.
What does the cutover checklist look like?
Use this on the last day. Each line is something that commonly breaks when a coach switches off GoHighLevel too early.
| Check | Where | Status |
|---|---|---|
| Final contact, opportunity and conversation export saved | GoHighLevel | [ ] |
| Signed agreements downloaded and uploaded per client | GoHighLevel, new platform | [ ] |
| Every active client has logged in to the app | New platform | [ ] |
| All future sessions exist in the new calendar | New platform | [ ] |
| Every subscription recreated, old one set to cancel at period end | Stripe, new platform | [ ] |
| Domain pointed at the new website | Your domain registrar | [ ] |
| Booking links updated on social profiles, email signature and link in bio | Everywhere you post | [ ] |
| Ads and Meta Pixel or GA4 pointing at the new funnels | Ad accounts, new funnels | [ ] |
| Email sequences live and tested with your own address | New platform | [ ] |
| GoHighLevel workflows turned off so nothing double-sends | GoHighLevel | [ ] |
| GoHighLevel phone numbers released or ported, if you keep them elsewhere | GoHighLevel | [ ] |
| GoHighLevel cancelled before the renewal date | GoHighLevel billing | [ ] |
Turn off workflows before you import contacts anywhere else. A forgotten GoHighLevel reminder going out next to a new Coachful reminder is the most common sign of a messy move.
What is Coachful, and who is it for?
Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. Coaches get one login and clients get one branded app. It is built for coaches who deliver programs, not just sessions; solo coaches growing into a small team; and coaches replacing four to six tools. The company is based in Tallinn, Estonia.

What clients get between sessions is the big difference from GoHighLevel: multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Each client record collects goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with a status of thriving, active, quiet or at risk, so you see who needs a nudge. Michelle, the built-in AI assistant, works from that live practice data to brief you before sessions, summarize recorded sessions and draft emails. Read more on the coaching CRM and scheduling software pages.
Coaching agreements are signed with e-signature before the first call and stored on the client record. For clients who signed in GoHighLevel, drop the signed PDF onto their record. See coaching contracts for how agreements work.

What Coachful does not do: no multi-stage deal board for large sales teams, no HubSpot or Salesforce integration, no PayPal, no routing forms, no permanent free plan, and it is not HIPAA-certified, so clinical records and insurance billing belong in a clinical system. The client app ships under the Coachful listing with your branding, not under your own App Store account. Integrations cover Google Calendar, Apple Calendar/iCloud, Outlook, Zoom, Google Meet, Teams, Stripe, Razorpay, Zapier, Meta Pixel and GA4.
How to start: open a free trial, then ask the team to build your site, funnels or programs through the free white-glove build service. For a side-by-side, see Coachful vs GoHighLevel or the GoHighLevel alternative page.
How does the Coachful white-glove import and build work?
Coachful imports your clients, programs and content for you during onboarding, and its team will rebuild your website, funnels and other pieces inside your account at no charge on every plan. For a GoHighLevel switcher, that covers the part that cannot be exported: snapshots.

Why Coachful stands out: a free white-glove service. From Create > We'll build it for you · FREE (or the "Want us to build it for you?" card on the Website, Funnels, Programs and template pages), you describe what you want built: a website, funnel, offer or sales page, program, course outline and written material, journey or coaching flow, form or worksheet, article, email sequence or newsletter, link in bio, lead quiz, event or webinar, automation, or something else. You can attach up to 8 reference links and up to 10 files, such as logos, photos, brand guides, copy and documents (no video files). The team builds it inside your own account, usually within about 24 hours.

For a GoHighLevel move, the most useful request is usually "rebuild my funnel" with your page screenshots, your copy document and a link to the live funnel as references. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing.
Some recent builds, anonymized: a somatic coach leaving Kajabi had the homepage and About page rebuilt and the contact form connected; a business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails; a real-estate and money coach got a year-long cohort program with an application form, an eight-page site and a free nine-day bootcamp funnel. Read the full details in Coachful's free white-glove service.
What mistakes should you avoid when leaving GoHighLevel?
The expensive mistakes are cancelling before you export and leaving old automations running. Both are avoidable with a little order.
- Cancelling first. Your data becomes inaccessible after cancellation. Export, check the files, then cancel.
- Rebuilding everything. Rebuild what had activity in the last 90 days. Old funnels and abandoned workflows can stay in your screenshots folder.
- Double messages. Turn off GoHighLevel workflows the day Coachful sequences go live.
- Re-mailing unsubscribes. Carry consent status across in your CSV and respect it.
- Losing ad tracking. Add your Meta Pixel and GA4 to the new funnels before you switch ad destinations.
- Surprise renewals. GoHighLevel bills monthly or yearly; put the renewal date in your calendar at the start of week 1.
- Forgetting telecom. If clients know your GoHighLevel phone number, decide whether to keep it with a separate provider before you cancel.

FAQ
How long does it take to migrate from GoHighLevel?
About four weeks for most solo coaches: a week to export, a week to build, a week running both systems and a week to move payments and cancel. Coaches with few clients and no course can do it in two. The slowest part is usually rebuilding funnels, which the free white-glove build can take off your plate.
Can I import GoHighLevel snapshots into Coachful?
No. HighLevel snapshots only work inside HighLevel, so funnels, websites and workflows have to be rebuilt. Save screenshots and copy before you cancel, and use those as the brief for the rebuild.
Will my clients' subscriptions transfer automatically?
No. Subscriptions stay in the payment account where they were created, and card details cannot be moved into a new checkout for you. Recreate each offer in Coachful, cancel the old subscription at the end of its billing period, and send clients a checkout link to start the new one.
What happens to my data after I cancel GoHighLevel?
It becomes inaccessible. Export contacts, opportunities and conversations to CSV, download signed agreements and save funnel screenshots before you cancel. Keep the files somewhere you control.
Does Coachful have a sales pipeline like GoHighLevel?
Coachful has a Prospects page where leads keep their source and stage, plus intake tracking for discovery calls. It does not have a multi-stage deal board built for large sales teams, and it has no HubSpot or Salesforce integration. If a team works a pipeline by phone, GoHighLevel suits that better.
Can I still send SMS from Coachful?
Yes, for session reminders: SMS reminders 24 hours before and WhatsApp reminders 1 hour before, once messaging is enabled, alongside email reminders. Coachful is not a two-way SMS marketing tool, so if SMS campaigns drive your sales, plan for that before you move.
What is Coachful's free white-glove service?
It is a done-for-you build on every plan. From Create, you describe a website, funnel, program, email sequence or other piece, attach up to 8 links and 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design, ads or ongoing marketing.
Can I keep using PayPal after moving?
Not in Coachful. Payments run through your own Stripe Connect or Razorpay account, with cards, Apple Pay and Google Pay. Clients who paid by PayPal need to switch to one of those on the new checkout.
Is Coachful HIPAA-compliant like GoHighLevel's add-on?
No. Coachful is not HIPAA-certified and does not sign a BAA. GoHighLevel offers HIPAA compliance as a $297 per month add-on, or included on Enterprise, as listed in October 2026. If you keep clinical records, they belong in a clinical system.
Does Coachful charge transaction fees?
No platform fee: Coachful has charged 0% on sales since August 2026. You pay only Stripe or Razorpay processing fees on each payment.
