How to Migrate From Kajabi Without Losing Clients (2026)

To migrate from Kajabi without losing clients, export everything Kajabi lets you export (contacts, sales, subscriptions, form responses, videos), rebuild your offers and delivery on the new platform, then move each paying client's billing one renewal at a time, cancelling the Kajabi subscription only after the new one is live. Kajabi's own help center warns that customer subscriptions keep billing after you cancel your Kajabi account, so the order of those last steps matters more than anything else in this guide.
This guide walks through the whole move: what Kajabi documents as exportable, how each Kajabi object maps to Coachful, a six-week timeline, paste-ready client emails, the subscription switch, and a cutover checklist. We make Coachful, so we use it as the destination throughout; the export and billing steps apply wherever you go.

Why do coaches migrate from Kajabi?
Most coaches leave Kajabi for three reasons: cost relative to their client count, a delivery model built around products rather than individual clients, and fees that change with the payment provider. None of these make Kajabi a bad tool; they make it a poor fit for some coaching businesses.
The price is set for course sellers with large lists
As listed in October 2026, Kajabi Basic costs $179 per month ($143 per month billed annually) and includes 5 products, 2,500 contacts, 1 community, 1 website, 2 admin users and 0 AI credits. Growth is $249 per month ($199 annually) with 50 products and 25,000 contacts. Pro is $499 per month ($399 annually) with unlimited products and 100,000 contacts. Extra contacts are listed at $125 per month per 25,000. A coach with 20 private clients and a modest email list pays the same Basic price as a course creator with 2,000 buyers.

Coaching is a product, not a client relationship
Kajabi is a course, community, website, funnel and email platform for selling knowledge products. It does not offer habit tracking or daily client check-ins, and coaching is delivered as products and communities rather than per-client plans. Coaches who want to see whether a specific client did this week's work usually end up adding a spreadsheet, a habit app or a separate client portal on the side. Our Kajabi review covers the delivery side in more detail.
Fees depend on how you get paid
Kajabi Payments (US) charges 2.9% + $0.30 on Basic, 2.8% + $0.30 on Growth and 2.7% + $0.30 on Pro. If you use a provider other than Kajabi Payments or PayPal, Kajabi adds its own fee on top of that provider's fees: 2% on Basic, 1% on Growth and 0.5% on Pro. The branded mobile app is Pro-only according to Kajabi's comparison table on October 25, 2026.
What reviewers say
On Trustpilot, Kajabi scored 3.4 from 2,347 reviews when we checked on October 25, 2026. That number mixes course creators, coaches and agencies, so read the reviews that match your business before deciding. Our Kajabi pricing breakdown and ranked Kajabi alternatives go further if you are still choosing a destination.
What can you export from Kajabi?
Kajabi lets you export contacts, sales and purchase reports, subscriptions, members, form responses and webinar registrations as files, and you download videos and other media yourself. Blog posts cannot be exported, and course content has to be saved asset by asset. Here is what Kajabi's help center documents, by article title, as of October 2026.
| What you need | How Kajabi documents it | What you get |
|---|---|---|
| Contacts | "Export contacts" help article | A CSV of your contact list, sent by email |
| Sales and subscriptions | CSV exports for sales, subscriptions and members; "Export purchase reports for individual offers" | CSV files per report or per offer |
| Form responses | "Export information from a form" | Answers from opt-in and intake forms |
| Webinar and training sign-ups | "Export registrations for trainings and webinars" | Registration lists |
| Product and landing page templates | "Back up site content" and "Export and import landing pages" | Kajabi template files, meant for loading back into Kajabi |
| Videos and media | "Back up site content" points to saving videos to your hard drive | Your original video, image and document files |
| Course lessons | Downloaded manually, per asset | Lesson files and text you copy out yourself |
| Blog posts | Kajabi says blog posts "cannot be exported or downloaded directly" | Nothing automatic; copy text and images into a document |
Three practical notes. First, Kajabi's "Back up site content" article recommends keeping every file in one folder outside Kajabi; do that now, before you start any build. Second, template exports are Kajabi files, useful if you ever come back but not readable by another platform, so treat your page copy and images as the real backup. Third, our September 2026 notes on Kajabi recorded that account data is removed 90 days after cancellation. Export everything before you cancel, not after.
Make one folder per area: contacts, sales and subscriptions, courses (one subfolder per course, one file per lesson), website and blog, emails (copy each sequence email into a document, in order, with its delay), and community (pinned posts, rules, welcome message). That folder is what gets imported, whatever platform you pick.
How does Kajabi data map to Coachful?
Almost every Kajabi object has a direct home in Coachful, and the big change is that clients become individual records with goals, habits and check-ins instead of buyers of a product. The table below shows where each piece lands.
| Kajabi object | Where it goes | Notes for the move |
|---|---|---|
| Coachful | One account with one login for you and one branded app for clients | Clients, programs and content are imported for you during onboarding |
| Contacts and tags | Client records and prospects, with tags | Each client record also holds goals, check-ins, habits, notes, intake answers, payments and sessions |
| Offers | Offers with one-time payments, subscriptions, payment plans, order bumps and coupons | Recreate prices and cadence exactly before switching billing |
| Courses | Courses with modules, lessons, drip and completion tracking | Re-upload the video files you saved; lesson text pastes in |
| Coaching products | Booking pages plus multi-week programs with weekly goals, daily tasks, habits and check-ins | This is where 1:1 delivery gains the most |
| Community | Community feed, group chat, direct messages and video events | Cohort groups are created automatically when a client enrolls in a program |
| Website and blog | Section-based website builder with blog, custom domain and SEO settings | The Import website option and 30 homepage templates help you start |
| Landing pages and funnels | Booking, application, lead-magnet and checkout funnels with pixels and UTM tracking | About 25 funnel templates to adapt |
| Email broadcasts and sequences | Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits | Rebuild from the documents you copied |
| Forms | Intake questions on booking, forms and worksheets | Intake answers attach to the client record |
| Webinars and events | Video events, group calls and webinars | Export registrations from Kajabi first |
| Affiliate program | Affiliate tracking of links, clicks, conversions and revenue | Payouts are recorded manually, not sent for you |
| Branded mobile app (Kajabi Pro) | Client app with your branding inside the Coachful app | It ships under the Coachful listing, not your own App Store account |
| Kajabi Payments, Stripe or PayPal | Your own Stripe Connect or Razorpay account | No PayPal; clients who paid by PayPal switch to card, Apple Pay or Google Pay |

Courses carry over cleanly. If you sell audio lessons or run a paid membership, our guides on delivering audio courses without Kajabi and running coaching memberships without Kajabi cover the setup choices specific to those formats. The course platform page lists what the course side includes.

Coaching products are where the structure changes. In Kajabi, a coaching product is something a client buys and then books. In Coachful, a program has weeks, each week has goals and daily tasks, and clients log habits and answer morning and evening check-ins. Each client then shows a status of thriving, active, quiet or at risk, so you can see who needs a message before the next session.

What does a Kajabi migration timeline look like?
A typical solo coaching business can migrate from Kajabi in about six weeks, with the platform build taking one to two weeks and the rest spent moving clients and billing at their own pace. The schedule below is an example; shorten it if you have few paying subscribers, lengthen it if you have many on different renewal dates.

- Week 0: decide and check dates. Note your Kajabi plan's renewal date (monthly or annual) and the renewal dates of every client subscription and payment plan. Start a free trial on the new platform so you can test it with real content. Kajabi's help center also has an article on pausing a Kajabi subscription, which may help if your build runs past a renewal.
- Week 1: export and request the build. Run every export in the table above. Download videos and media. Copy blog posts and email sequences into documents. In Coachful, open Create > We'll build it for you and send the folder, your site links and what you want built.
- Week 2: review the rebuild. Check every page, offer price, course lesson and program week. Fill the gaps the team leaves for you (real testimonials, credentials, prices). Connect Stripe or Razorpay and run a test purchase.
- Week 3: announce and invite. Send the announcement email, then invite active clients to their new login. Point your custom domain at the new site once you are happy with it.
- Weeks 3 to 6: switch billing at each renewal. Move each subscriber as their current paid period ends (details below). Keep the Kajabi site live until the last active client has moved.
- Week 6: cancel Kajabi. Confirm no customer subscriptions are still active in Kajabi, keep your export folder, then cancel your Kajabi account.
If you are leaving a different tool at the same time, the sequence in migrating from a discontinued coaching CRM follows the same logic: freeze, export, rebuild, move people, then switch off.
Moving the website and domain
Rebuild the pages first, then move the domain last, because the domain switch is the moment visitors start seeing the new site. Keep the same page addresses where you can (for example, /about and /work-with-me) so old links keep working. Our guide to moving a coaching website off Kajabi, Wix or Squarespace covers domains and page structure step by step, and the coach website builder page shows the templates.

Rebuilding funnels and email
List every live funnel in Kajabi and what it does: books a call, collects an email for a lead magnet, takes an application, or sells. Rebuild only the ones that bring in clients or leads today; a migration is a good moment to retire the rest. Coachful funnels support pixels and UTM tracking, so add your Meta Pixel or GA4 before the domain switch to keep reporting continuous. For a side-by-side of the two funnel and email setups, read Coachful vs Kajabi for funnels and email.

Here is a walkthrough of building funnels in Coachful.
What should you tell clients when you migrate from Kajabi?
Tell clients what is changing, what stays the same, what they need to do, and by when, in plain language and in as few emails as possible. Three emails cover most moves: an announcement, an invitation to the new login, and a billing switch note for subscribers. Copy these, replace the brackets and keep them short.
A legal note before you send anything: announcements to your whole list are commercial email under US law. The FTC's CAN-SPAM compliance guide requires accurate sender details, an honest subject line, a valid physical postal address and a working opt-out that you honor within 10 business days. Purely transactional or relationship messages to current clients are exempt from most provisions. Either way, do not import people who unsubscribed in Kajabi into a marketing list on the new platform.
Email 1: the announcement (send two to three weeks before the switch)
Subject: A new home for your coaching with [Your Business]
Hi [First name],
On [date], I'm moving my coaching programs, courses and community to a new platform. Your sessions, your program and the price you pay stay the same.
What changes: you'll have one app for sessions, your program, check-ins, course lessons and our community, instead of several logins.
What you need to do: nothing yet. You'll get an invitation email from me on [date] with your new login. Your current access stays open until [date].
Questions? Just reply to this email.
[Your name]
Email 2: the invitation (send on switch day)
Subject: Your new login is ready
Hi [First name],
Your new coaching space is ready. You'll find your program, upcoming sessions, course lessons and our community in one place.
1. Accept the invitation from [platform email] and set a password.
2. Download the app on your phone if you prefer (search for [app name] and sign in with the same email).
3. Check your next session time on your dashboard: [session date].Your old login will keep working until [date] so you can grab anything you saved.
[Your name]
Email 3: the billing switch (send to subscribers and payment-plan clients)
Subject: One quick step for your [program name] membership
Hi [First name],
Your current billing period ends on [renewal date]. To keep your membership running, please set up your payment on the new platform using this link: [checkout link]. The price stays at [price] per [month].
I've set your old subscription to end on [renewal date], so you will not be charged twice. If you'd rather pay by card than PayPal, the new checkout also accepts Apple Pay and Google Pay.
If anything looks off, reply here and I'll fix it.
[Your name]
Follow up personally with anyone who has not completed the billing step three days before their renewal date. A short message from you works better than another automated email.
What happens to subscriptions and payment plans when you leave Kajabi?
Subscriptions do not move between platforms on their own. Every client who pays you on a recurring basis or by installments needs a new subscription created through the new platform's checkout, and you need to end the Kajabi one so nobody is billed twice.
What Kajabi documents
Kajabi's help article on managing services and customer payments after account cancellation is explicit. Customer subscriptions and payment plans are not cancelled when you cancel your Kajabi account; they "will continue to be charged until each subscription/plan is individually canceled." After cancellation you keep limited access to the Payments section, where you can refund, manage transactions, subscriptions, payment plans and disputes, "regardless of whether payments were processed through Kajabi Payments, Stripe, or PayPal." To stop one, you go to Sales > Payments > Subscriptions, open the More Actions menu next to the subscription and choose Cancel Payments, with an end timing of immediately, end of period, or a custom date.
Two consequences. Cancelling your Kajabi plan does not protect clients from further charges; you have to cancel each customer subscription. And the "end of period" option is the tool that prevents double billing during a move.
Why the subscription itself cannot be transferred
A subscription is an agreement between your client's saved payment method and the checkout that created it. The CSV exports Kajabi provides list subscription records (who, what, how much, when), but they do not carry a saved card, so nothing in an export can charge a client on another platform. Even if you connected your own Stripe account to Kajabi, the subscription was created by Kajabi's checkout, and Kajabi's help center treats it as something you manage and cancel inside Kajabi. Coachful takes payments through your own Stripe Connect or Razorpay account, and a client starts paying there when they complete a Coachful checkout.
The safe order for each subscriber
- Create the matching offer in Coachful with the same price and billing cadence. Coupons, payment plans and Stripe Tax are available if you need to match an existing arrangement.
- In Kajabi, set that client's subscription to cancel at end of period, so they keep the access they already paid for.
- Send Email 3 with the checkout link, timed so the first new charge lands on or just after the Kajabi period ends.
- When the new payment shows up, give the client access to their program and community in Coachful if they do not have it yet.
- Record the switch in a simple sheet: client, old renewal date, Kajabi set to end, new subscription live.
If a client signs up on the new checkout mid-period, cancel the Kajabi subscription immediately and, if you want to be fair, refund the unused part from Kajabi's Payments section.
Payment plans and PayPal subscribers
For clients partway through a payment plan, you have two options. You can create a new payment plan in Coachful for the remaining installments and cancel the Kajabi plan, or let the Kajabi plan finish while delivery moves over. Kajabi's article says plans keep charging after account cancellation, but confirm with Kajabi support how payouts work on a cancelled account before you rely on that route. Coachful does not support PayPal, so clients currently paying by PayPal need to switch to a card, Apple Pay or Google Pay at the new checkout. Email 3 already mentions this.

Each transaction in Coachful gets an invoice, and you can send manual invoices too. The coaching payment software page lists the payment options in full.
Agreements
During a migration, send existing clients a short updated coaching agreement through Coachful's e-signature, so the signed copy sits on their client record alongside payments and sessions. New clients sign it before their first session. Check the wording of any agreement with an attorney; the coaching contracts page shows how the flow works.

What does the move change in your monthly costs?
Your software bill and your per-sale fees both change, and the clearest way to compare is plan by plan. Kajabi figures below are as listed in October 2026; Coachful figures update to your current plan line.
| Plan | Monthly price | Limit that matters for coaches | Platform fee on sales |
|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Lower plans cap clients; Pro is unlimited (Pro: $99/month with unlimited clients) | 0% platform fee; only Stripe or Razorpay processing |
| Kajabi Basic | $179 ($143 billed annually) | 5 products, 2,500 contacts, 0 AI credits | 2.9% + $0.30 on Kajabi Payments (US); 2% extra with other providers except PayPal |
| Kajabi Growth | $249 ($199 billed annually) | 50 products, 25,000 contacts, 500 AI credits | 2.8% + $0.30 on Kajabi Payments (US); 1% extra with other providers except PayPal |
| Kajabi Pro | $499 ($399 billed annually) | Unlimited products, 100,000 contacts, branded app | 2.7% + $0.30 on Kajabi Payments (US); 0.5% extra with other providers except PayPal |
Coachful plans are flat monthly prices, and team plans add coach seats (Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). If you coach around 15 clients, the relevant line is Solo: $49/month for up to 20 clients. Also count the tools you can drop: if you pay separately for scheduling, contracts, a habit app or a client portal next to Kajabi, those costs go too, because booking, agreements, programs and the client app are included in your Coachful membership.
What is the cutover checklist?
Run this checklist in order during the final week. Each line exists because skipping it is a common way to lose a client or a payment.
| Task | When | Why it matters |
|---|---|---|
| All exports saved in one folder outside Kajabi | Before any cancellation | Data may be removed after cancellation; blog posts and lessons need manual copies |
| Every offer recreated with the same price and cadence | Before inviting clients | Clients should see the price they agreed to |
| Test purchase completed and refunded | Before inviting clients | Confirms Stripe or Razorpay, taxes and receipts work |
| Unsubscribed contacts excluded from marketing lists | At import | CAN-SPAM opt-outs must be honored |
| Pixels and analytics added to new pages | Before the domain switch | Keeps ad and traffic reporting continuous |
| Custom domain pointed at the new site | Switch day | Visitors and old links land on the new pages |
| Kajabi email sequences and automations turned off | Switch day | Stops clients getting two versions of the same email |
| Each Kajabi subscription set to end of period | As each client moves | Prevents double charges |
| Every subscriber confirmed live on the new checkout | Before cancelling Kajabi | No client silently lapses |
| No active customer subscriptions left in Kajabi | Final day | Kajabi keeps charging customers after you cancel your plan |
| Kajabi account cancelled, not permanently deleted | Final day | Cancellation keeps limited access to Payments for refunds and disputes |
Kajabi's help center has separate articles for cancelling and for permanently deleting an account. Use cancellation first, and only consider deletion once every customer subscription, refund window and dispute is closed.
How does Coachful's white-glove import and build work?
Coachful's team imports your clients, programs and content during onboarding, and builds the pieces you ask for, such as your website, funnels, programs and email sequences, inside your own account. You send what you exported from Kajabi; they rebuild it; you review it and fill any gaps.

Why Coachful stands out: a free white-glove service. On every plan, you can open Create > We'll build it for you · FREE (or the "Want us to build it for you?" card on the Website, Funnels and Programs pages) and describe what you want built: a website, funnel, offer or sales page, program, course (outline and written material), journey or coaching flow, form or worksheet, article, email sequence or newsletter, link in bio, lead quiz, event or webinar, or automation. You can attach up to 8 reference links, such as your current Kajabi pages, and up to 10 files, such as your logo, photos, brand guide, copy documents and exported content (no video files). The team builds it in your account, usually within about 24 hours.

Nothing gets invented. The team does not add credentials, testimonials or prices you did not provide; gaps are left for you to fill. It also does not cover recording videos, logo design, ad management or ongoing marketing, so plan to upload your saved Kajabi videos yourself.

Two recent anonymized builds show what this looks like for Kajabi movers. A somatic coach leaving Kajabi had the homepage and About page rebuilt and the contact form connected. A leadership coach with a website renewal days away got one clean homepage with a repeated "talk with me" button. The full details are in our post on Coachful's free white-glove service.
Which build requests to send for a Kajabi move
- Website: links to your current Kajabi homepage, About and Work With Me pages, plus your copied blog posts.
- Funnels: one request per funnel that still brings in leads, with the Kajabi page link and the lead magnet file.
- Program: your coaching product's structure (weeks, sessions, worksheets) so it becomes a program with weekly goals, tasks, habits and check-ins.
- Course: the course outline and lesson text; you add the saved video files.
- Email sequence: the document with each Kajabi sequence email, its order and its delay.
What clients see afterwards
Clients get one branded app with their sessions, program, habits, check-ins, courses and community. Booking pages sync two ways with Google, Apple/iCloud and Outlook calendars, create Zoom, Meet or Teams links (or use built-in video), and send email reminders, plus SMS and WhatsApp reminders once messaging is turned on.

Michelle, the built-in AI assistant, works from your live practice data: it can draft the client emails above, build program weeks from your old coaching product, summarize recorded sessions and brief you before each call. Questions and planning are included in your membership; confirmed builds and changes use AI credits. If you are working toward an ICF credential, Coachful counts your coaching hours and distinct clients against ACC, PCC and MCC thresholds.

Here is a walkthrough of the clients area, where your imported Kajabi contacts end up.
Is Coachful the right place to move to?
Coachful fits coaches who deliver programs rather than single sessions, solo coaches growing into a small team, and coaches replacing four to six tools with one. It is less suited to businesses that are mainly course catalogs with thousands of self-paced buyers.
What Coachful is: a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The company is based in Tallinn, Estonia, and holds a Trustpilot score of 4.5 from 21 reviews.
What it does not do: it is not HIPAA-certified and offers no BAA, so it is not for clinical record-keeping or insurance billing. There is no PayPal and no permanent free plan. The client app carries your branding inside the Coachful app rather than your own App Store listing. There is no Garmin, Fitbit, Whoop or Oura sync, no Salesforce or HubSpot integration, no course marketplace and no third-party plugins.
How to start: start a free trial, then request the white-glove build with your Kajabi exports attached. Monthly plans cancel in one click. For a feature-by-feature view, see Coachful vs Kajabi or the Kajabi alternative overview, and if you run cohorts, the group coaching software page.
Frequently asked questions
How long does it take to migrate from Kajabi?
Plan for about six weeks for a solo coaching business: one week to export, one to two weeks to rebuild and review, and the rest to move subscribers at their own renewal dates. The build is fast; the billing switch is what sets the pace. Fewer subscribers means a shorter move.
Will my clients be charged twice during the move?
Not if you set each Kajabi customer subscription to cancel at the end of its current period before the client pays on the new checkout. Kajabi's help center lists immediately, end of period or a custom date as the end timing options. Keep a sheet of who has moved so nobody is missed.
Does cancelling my Kajabi account cancel my clients' subscriptions?
No. Kajabi's help center says customer subscriptions and payment plans continue to be charged until each one is cancelled individually. You keep limited access to the Payments section after cancellation to do that, along with refunds and disputes.
Can I export my Kajabi courses?
Not as one importable package. Kajabi's product templates are Kajabi files, and course content is saved manually, asset by asset, including the original video files. Lesson text, worksheets and videos can then be added to Coachful courses with modules, drip and completion tracking.
Can I export my Kajabi blog?
Kajabi says blog posts cannot be exported or downloaded directly. Copy each post's text and images into a document before you cancel. Coachful's website builder includes a blog, and the white-glove team can rebuild articles from those documents.
What happens to clients who pay me through PayPal?
Coachful does not support PayPal, so those clients switch to card, Apple Pay or Google Pay when they complete the new checkout. Tell them in the billing email, and cancel their Kajabi subscription at the end of the current period.
Is the white-glove build really free?
Yes. The white-glove build service is free on every Coachful plan. You describe what you want built, attach up to 8 reference links and up to 10 files, and the team builds it in your account, usually within about 24 hours. It does not include recording videos, logo design, ad management or ongoing marketing.
Do I need to tell my email list about the move?
Tell active clients directly, and tell your wider list only if it helps them. Any announcement sent to your marketing list must follow CAN-SPAM rules, including a postal address and a working opt-out. Never import contacts who unsubscribed in Kajabi into a new marketing list.
Can I keep my domain and page addresses?
Yes. Coachful's website builder supports a custom domain, and you can keep the same page paths so existing links still work. Point the domain at the new site only after every page is reviewed.
Should I delete my Kajabi account after moving?
Cancel it first and keep your export folder. Cancellation keeps limited access to Kajabi's Payments section for late refunds or disputes. Only consider permanent deletion once every customer subscription has ended and no disputes are open.
