How to Migrate from Simply Coach Without Losing Clients

How to Migrate from Simply Coach Without Losing Clients

To migrate from Simply Coach without losing clients, export everything Simply.Coach lets you download (coachee list, contracts, session history, notes and program material) before you cancel, rebuild your offers and programs in the new platform, tell clients exactly what changes for them, and switch recurring payments over on a date you choose rather than letting them lapse. Most solo coaches can do this in about two weeks. This guide walks through each step with a data map, paste-ready client emails, a payments plan and a cutover checklist.

We make Coachful, so this guide ends with how we handle the move for you. Every Simply.Coach fact below comes from its own pricing pages as listed in October 2026, and we say plainly where Simply.Coach does not document something so you can confirm it with their support team before you rely on it.

Why do coaches leave Simply.Coach?

Coaches usually leave Simply.Coach because of plan caps, not because the core tool fails them. Every solo tier below Leap limits active coachees, contracts and programs, so growing practices hit a ceiling and have to move up a tier to keep enrolling.

Here is what the Simply.Coach pricing pages list in October 2026:

  • Starter, $9: 3 active coachees, 1 contract, 1 program, 1 GB storage, 1 calendar. Includes 1:1 and group coaching, booking pages and survey forms.
  • Essentials, $29: 7 coachees, 3 contracts, 3 programs, 10 GB. The only plan that shows an annual figure ($290 a year, about $24.17 a month).
  • Growth, $49: 30 coachees, 10 contracts and programs, 50 GB, 3 calendars. Adds multiple calendars, recurring sessions, your logo and onboarding.
  • Leap, $69: unlimited coachees, contracts and programs, 100 GB. Adds a white-labelled platform on your own domain.
  • Business tiers: CoCreate ($79), Surge ($159) and Optima ($289) are priced per active coach, with 10, 25 and 50 clients per coach respectively.

The headline prices do not state the billing period. An older profile of the page treated them as monthly, and the page advertises "save up to 52% on annual." USD prices are listed as tax-inclusive, and an INR option excludes GST.

Simply.Coach pricing page with solo coach plans
Simply.Coach's pricing page in October 2026.

A few other details on the same pages tend to come up when coaches compare options:

  • Branding is tiered. Your logo appears from Growth; a white-labelled platform on your own domain needs Leap (or Surge and above on business plans).
  • Automated invoices are marked "Coming Soon" on the solo pricing page.
  • No refunds for mid-period cancellations. This matters for timing your switch, covered below.
  • Transaction fees and payment processors are not stated on the pricing pages, so check your own account settings to see where your client payments actually run.

None of this makes Simply.Coach a poor tool. It is a focused coaching practice platform with contracts, programs, sessions, booking pages, a client portal and enterprise tiers for coaching programs with sponsors. If you are still deciding whether to leave at all, our ranked list of Simply.Coach alternatives and the Coachful vs Simply.Coach comparison cover the trade-offs in more depth.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

How do Simply.Coach and Coachful plans compare on price?

The fairest comparison is the plan that covers the number of clients you actually have. Simply.Coach steps up by coachee count; Coachful uses flat monthly plans where lower plans cap clients and Pro is unlimited, with no Coachful platform fee on client payments since August 2026 (you pay only Stripe or Razorpay processing).

Platform and planListed price (October 2026)Client limitNotes
CoachfulLite: $29/month for up to 5 clientsLower plans cap clients; Pro is unlimited. For 30 clients: Pro: $99/month with unlimited clients. Simply.Coach Starter$93 active coachees1 contract, 1 program, 1 GB
Simply.Coach Essentials$29 ($290 a year)7 coachees3 contracts, 3 programs, 10 GB
Simply.Coach Growth$4930 coachees10 contracts and programs, your logo, recurring sessions
Simply.Coach Leap$69Unlimited coacheesWhite-label platform, your domain
Simply.Coach Surge (business)$159 per active coach25 clients per coach2 program managers, 5 sponsors, white-label

Two things to factor in beyond the sticker price. First, the tools you pay for alongside Simply.Coach: a website builder, an email marketing tool, a course host or a community app. Coachful includes a website with funnels, email sequences, courses and a community in your Coachful membership, so a move can retire several subscriptions at once. Second, the annual commitment: if you prepaid a Simply.Coach year, the no-refund policy means your cheapest switch date is the end of that term.

What can you export from Simply.Coach?

Simply.Coach's site states that all data can be exported to spreadsheets. It does not publish a detailed export guide on its pricing pages, so before you cancel, ask Simply.Coach support which objects each export covers and download everything while your account is still active.

Use this list as your export request. Ask for each item by name and tick it off as the file arrives:

  1. Coachee roster: names, emails, phone numbers, time zones, status (active, paused, completed) and any tags or custom fields.
  2. Contracts and engagements: the signed contract documents as PDFs, plus engagement start and end dates, session allowances and fees.
  3. Session history: dates, durations, attendance and which client each session belonged to. If you hold or are working toward an ICF credential, this is your coaching log, so keep the original file.
  4. Session notes and action items: notes you wrote, goals, and any action plans you set with clients.
  5. Programs: the structure (modules, steps, dates) and the content inside each step: text, worksheets, links and files.
  6. Forms and surveys: the questions themselves and each client's responses.
  7. Files: anything uploaded to your storage (Simply.Coach plans include 1 GB to 100 GB). Download these manually if the spreadsheet export does not include attachments.
  8. Payments and invoices: a record of what each client has paid and what is still owed. If payments ran through your own Stripe account, Stripe holds the authoritative record; export it from there as well.
  9. Business tiers only: sponsor contacts, program manager assignments, NPS results and any automated reports you send to sponsors.

Store every file in one dated folder (for example "Simply.Coach export 2026-11-01") and keep it after the move. A spreadsheet export is your proof of history if a client or sponsor asks about past sessions, and your fallback if anything goes missing in the import.

Where does each Simply.Coach item land in Coachful?

Almost everything in a solo Simply.Coach account has a direct home in Coachful, and the Coachful team imports clients, programs and content for you during onboarding. The table maps each item, how it moves, and what to check afterwards.

Be honest with yourself about the last row. If you run a corporate coaching program where sponsors log in, coaches are matched to employees automatically and payouts go to a pool of coaches, Simply.Coach's Optima tier is built around that. Coachful's team plans add seats, per-coach availability and round-robin or least-busy assignment for shared session types, but there is no sponsor portal or automated coach payout. Solo coaches and small teams rarely need those; enterprise programs often do.

What is the step-by-step plan to migrate from Simply Coach?

Work in five phases over roughly two weeks: prepare, export, build, announce, and cut over. Keep Simply.Coach running until the last day so no client ever lands on an empty portal.

PhaseTiming (example)What happens
CoachfulDay 1Start a free trial and request the free white-glove import and build
PrepareDays 1 to 2Find your Simply.Coach renewal date, list active clients and their billing, pick a cutover date
ExportDays 2 to 4Download every item on the export list; save the Stripe payment history
BuildDays 3 to 9Clients, programs and content imported; you review programs, booking pages, agreements and checkout
AnnounceDays 7 to 10Send the heads-up email; answer questions
Cut overDay 14Send invites, switch booking links, start new billing, set Simply.Coach to cancel at period end
Wind downDays 14 to 30Watch for missed logins and failed payments; close Simply.Coach after the final billing period

The timings are an example for a solo coach with 10 to 30 active clients. A larger roster or a practice with several programs may want three or four weeks; the order stays the same.

Step 1: Pick your cutover date from the renewal date

Open your Simply.Coach billing settings and note the next renewal date. Because Simply.Coach does not refund mid-period cancellations, set your cutover a few days before renewal so you use what you have paid for and do not pay for another period you will not use. If you are on an annual plan with months left, you can still build and test in Coachful now and switch clients later.

Step 2: Export everything

Work through the export list above. Open each file to confirm it is complete: count the rows in the coachee export against the number of clients you see in Simply.Coach, and spot-check a few session notes. Missing attachments are the most common gap, so download any client files you will need by hand.

Step 3: Set up your Coachful account

Start a free trial, connect your Stripe (or Razorpay) account, and connect your calendar. Then request the white-glove import from Create > We'll build it for you, attach your export files, and describe what you sell. While the team imports, set your booking rules: availability, buffers, minimum notice and the video option (built-in video, or auto-created Zoom, Meet or Teams links).

This short walkthrough shows how a new Coachful account is set up from the first login:

Step 4: Rebuild agreements and offers

Upload each active client's signed Simply.Coach contract to their Coachful client record so the paper trail stays in one place. Then recreate your contract template as a Coachful coaching agreement with e-signature, which is sent before the first call for new clients. Rebuild your packages as offers: one-time, subscription or payment plan, with coupons or order bumps if you use them. Our coaching contracts page covers how agreements attach to offers.

Step 5: Review programs before clients see them

Open each imported program and walk through it week by week as a client would. Check that weekly goals, daily tasks and habits are in the right order, that worksheets and links open, and that morning and evening check-ins are switched on where you want them. This is also a good moment to add habits and check-ins that run between sessions, if your Simply.Coach programs did not have them.

Client view of an enrolled group program in Coachful
The demo client Programs view: an enrolled group program, its current week, members and the route into the program.

Step 6: Test the client journey yourself

Create a test client using a second email address. Book a session, sign an agreement, pay with a test card or a small real payment you refund, open the program in the client app, and complete a check-in. Fix anything that confuses you, because it will confuse a client too.

Step 7: Announce, cut over and wind down

Send the emails below, switch every link that points at Simply.Coach (website buttons, email signature, social bios, calendar invites), start new billing, and leave Simply.Coach active in read-only use until the final period ends. Our guide to migrating from a discontinued coaching CRM has more on keeping automations alive during a switch.

What should you tell clients, and when?

Tell clients twice: a short heads-up about a week before, then a clear invite on cutover day. Clients care about three things: whether their sessions and history are safe, what they need to do, and whether their payment changes.

Messages about how an existing client's service is delivered are generally closer to what the FTC calls transactional or relationship messages than to marketing. If you add promotion (a new offer, an upsell), CAN-SPAM rules apply: accurate headers, non-deceptive subject lines, a valid postal address and a working opt-out honored within 10 business days, as set out in the FTC's CAN-SPAM compliance guide. Keep these emails plain and service-focused.

Email 1: Heads-up (about 7 days before cutover)

Subject: A new home for our coaching work, starting [date]

Hi [first name],

A quick note so nothing surprises you. From [date], our sessions, program and messages will move from Simply.Coach to Coachful, a coaching app where everything lives in one place: booking, your program, check-ins, notes and payments.

What stays the same: our sessions, your goals and the work we have done. Your history comes with us.

What you will need to do: accept an invite I will send on [date] and download the app or log in on the web. It takes about five minutes.

[If they pay a recurring fee:] Your current billing will end on [date] and your next payment will run through the new app. You will see a checkout link in the invite. You will not be charged twice.

Reply to this email with any questions.

Email 2: Invite (cutover day)

Subject: Your invite: log in to our new coaching space

Hi [first name],

As promised, here is your invite: [invite link]

Once you are in, you will see:

  • Our next session on [date and time]. If it does not suit you any more, rebook from the Sessions tab.
  • Your program, currently at [week or module].
  • Short daily check-ins, so I can see how your week is going between sessions.

[If they pay a recurring fee:] Please set up your payment here before [date]: [checkout link]. Your old billing has been stopped from [date].

From today, please message me in the app rather than in Simply.Coach.

[Your name]

Email 3: Gentle reminder (3 to 5 days after cutover, only to clients who have not logged in)

Subject: Quick reminder about our new coaching app

Hi [first name],

I noticed you have not logged in yet, so here is your link again: [invite link]. If anything is not working, reply here and I will sort it out before our next session on [date].

[Your name]

Note for sponsors or HR contacts (if you coach employees)

Subject: Change of coaching platform for [program name] from [date]

Hi [name],

From [date], I will deliver [program name] through Coachful instead of Simply.Coach. Your coachees' sessions and progress history move with them, and nothing changes in the agreed engagement. I will send progress summaries to you by email on the same schedule as before. Let me know if your organisation needs anything for its vendor records.

How do payments and subscriptions move between platforms?

Recurring subscriptions do not move automatically from one coaching platform to another. Even when both platforms use Stripe, a subscription is created by a specific platform's integration, so do not expect the new platform to take over billing that the old one set up. Plan for each paying client to start a new subscription or payment plan in Coachful, and stop the old one on a date you control.

Here is the precise version, because this is where migrations go wrong:

  • Find where your money runs today. Simply.Coach's pricing pages do not state which processors it uses, so check your Simply.Coach payment settings and your Stripe dashboard. If clients pay you by bank transfer or a separate invoicing tool, the move is simpler: you only change where invoices come from.
  • Coachful bills through your own account. Coachful connects to your own Stripe account through Stripe Connect (or your Razorpay account). Coachful charges a 0% platform fee on client payments; you pay only Stripe or Razorpay processing.
  • Saved cards are not something to count on. Do not assume a client's saved card will be usable by the new platform. The reliable path is for each client to enter their card once at a Coachful checkout.
  • Never run two subscriptions at once. Cancel or end the old recurring charge at the end of the client's current billing period, then set the first Coachful charge to the next due date. If you can, start the new subscription after the old one's final charge has cleared.
  • Payment plans mid-way through: if a client has paid 3 of 6 instalments, create a Coachful payment plan for the remaining 3 rather than restarting the full plan.
  • Prepaid packages: if a client prepaid for 10 sessions and has used 4, give them 6 session credits in Coachful so nothing is charged again.
Coachful Payments tab with an invoice table
Coachful's Payments tab with an invoice table and two sample invoices for a demo program.

A worked example (illustrative numbers): a client pays a monthly retainer on the 1st. Your cutover is the 20th. On the 20th, they get the invite and a checkout link set to start billing on the 1st of next month. You cancel their old subscription so the 1st is never charged twice. Coachful issues an invoice for each transaction, and you can send manual invoices for anything outside a subscription. For more on how payments, plans and invoices work, see coaching payment software.

Tax treatment of your coaching income does not change when you change software, but if you are reorganising how you invoice, it is a good time to check your setup with an accountant. Coachful supports Stripe Tax if you need tax calculated at checkout.

What does the cutover checklist look like?

Print this or copy it into a note and tick each line on cutover day. If any line is not done, delay the invite by a day rather than send clients into a half-built space.

One more check for ICF-credentialed coaches: keep your Simply.Coach session export as the record of hours logged before the move. Coachful's ICF credential tracking counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. Ask during the import whether your past session history can come across so the count starts from your real total.

What changes for clients after the move?

Clients get one branded app for everything: sessions, their program, check-ins, habits, goals, resources, community and payments. That is the main day-to-day difference from a portal used mostly for scheduling and documents.

Between sessions, clients see their weekly goals, daily tasks and habits, with streaks and progress bars, and answer short morning and evening check-ins. You see each client's status (thriving, active, quiet or at risk) on your dashboard, so you know who to reach out to before a session rather than after a missed one.

Coachful coaching flows library with welcome, morning and evening check-in flows
Coachful's coaching flows library with Welcome, Morning Check-in and Evening Check-in flows.

If you run group programs, enrolling clients creates a cohort group automatically, with group chat, a community feed and video events. If you sell a course alongside coaching, modules, lessons, drip and completion tracking live in the same app. If you pay for a separate community or course tool today, this is where you can retire it. See group coaching software and coaching program software for the detail.

The client app runs under the Coachful listing with your branding, not under your own App Store account. If you were on Simply.Coach Leap specifically for a white-labelled platform on your own domain, note that difference. Your website, booking pages and funnels can sit on your own custom domain through the Coachful website builder.

How does the Coachful white-glove import and build work?

Coachful imports your clients, programs and content for you during onboarding, and the white-glove build service covers the rest of the rebuild at no cost on every plan. You describe what you need; the Coachful team builds it inside your own account, usually within about 24 hours.

Coachful's Create page with the build-it-for-you card on a laptop next to a paper planner
Coachful's Create page with the We'll build it for you card, and its Sessions calendar in demo data.

Why Coachful stands out: a free white-glove service. From Create > We'll build it for you · FREE (or the "Want us to build it for you?" card on the Website, Funnels and Programs pages), you can ask for a website, funnel, offer or sales page, program, course (outline and written material), journey or coaching flow, form or worksheet, email sequence or newsletter, link in bio, lead quiz, event or webinar, or automation. You can attach up to 8 reference links and up to 10 files, such as your Simply.Coach export, logo, brand guide or existing copy (no video files). Nothing gets invented: no fake credentials, testimonials or prices; gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing.

Coachful Create page with the We will build it for you card
Coachful's Create page with the We'll build it for you card.

Two recent builds, anonymized, show the range. A leadership coach with a website renewal days away got one clean homepage with a repeated "talk with me" button, so the switch did not wait on a redesign. A business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. For a Simply.Coach migration, the most useful requests are usually the programs, the agreement template, a booking funnel and a short email sequence for new leads. More examples are in our post on the Coachful free white-glove service.

What is Coachful, and who is it for?

Coachful is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built by a company in Tallinn, Estonia, and is rated 4.5 on Trustpilot from 21 reviews.

Who it is for: coaches who deliver programs, not just sessions; solo coaches growing into a small team (team plans add coach seats with per-coach availability and staff permissions); and coaches replacing four to six separate tools. Executive and business coaches moving from Simply.Coach can start with the executive coaches or business coaches pages.

What it includes: booking with two-way calendar sync and email, SMS and WhatsApp reminders once messaging is enabled; payments through your own Stripe Connect or Razorpay account; agreements with e-signature; client records with an AI briefing per client; courses, community and group calls; a section-based website builder with 30 designed homepage templates; email lists, broadcasts and multi-step sequences; and Michelle, the built-in AI assistant that builds programs, drafts emails and summarizes recorded sessions from your live practice data. Questions and planning with Michelle are included in your Coachful membership; confirmed builds and changes use AI credits.

What it does not do: Coachful is not HIPAA-certified and offers no BAA, so it is not for clinical record-keeping or insurance billing. There is no PayPal and no permanent free plan. The client app ships under the Coachful listing with your branding. There is no Salesforce or HubSpot integration, no multi-stage sales deal board for large teams, and no routing forms that pick a host from form answers. Affiliate payouts are recorded manually rather than sent by Coachful.

How to start: start a free trial, connect Stripe or Razorpay, then request the free white-glove import and build with your Simply.Coach export attached. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. Monthly plans cancel in one click, and you can export your full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions and form responses) at any time, so you are never locked in.

If you are comparing more than two tools, the guides on migrating from Paperbell and Practice Better follow the same structure, and the Simply.Coach alternative page summarises the switch in one place.

Frequently asked questions

How long does it take to migrate from Simply Coach?

For a solo coach with 10 to 30 active clients, about two weeks is realistic, most of it spent reviewing programs and giving clients notice. The import itself is done for you during onboarding. Larger rosters or several programs may take three to four weeks.

Can I export my data from Simply.Coach?

Simply.Coach's site states that all data can be exported to spreadsheets. It does not publish a detailed export guide on its pricing pages, so ask its support team which objects each export includes and download attached files separately. Do this before you cancel.

Will my clients' Stripe subscriptions transfer to Coachful?

No. Recurring subscriptions do not move automatically between platforms, even when both use Stripe. Each paying client starts a new subscription or payment plan in Coachful through a checkout link, and you end the old one after its final paid period so nobody is charged twice.

Do I lose money if I cancel Simply.Coach mid-period?

Simply.Coach states it does not refund mid-period cancellations. Time your cutover just before your renewal date so you use the period you have paid for. If you prepaid annually, you can build in Coachful now and move clients later.

What happens to signed contracts from Simply.Coach?

Download them as PDFs and upload each one to the matching client record in Coachful so your records stay together. New clients sign a Coachful coaching agreement with e-signature before their first call.

Is Coachful's white-glove service really free?

Yes. The white-glove build service is free on every plan. The Coachful team builds what you describe (programs, website, funnels, forms, email sequences and more) inside your own account, usually within about 24 hours, and leaves gaps for you rather than inventing credentials, testimonials or prices. It does not include recording videos, logo design or ad management.

Can I keep my ICF coaching hours history?

Keep your Simply.Coach session export as the record of hours logged before the move. Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log; ask during the import whether your past sessions can be brought in.

I run a corporate program with sponsors on Simply.Coach. Should I switch?

Think carefully. Simply.Coach's business tiers include program managers, sponsors, coach matching and coach payouts. Coachful's team plans add coach seats and staff permissions but have no sponsor portal or automated coach payouts, so enterprise programs that rely on those may be better served staying put.

Does Coachful work for health or wellness coaches leaving Simply.Coach?

Yes for coaching, with a clear scope: coaching is not medical treatment, and Coachful is not HIPAA-certified, so it is not for clinical records or insurance billing. Refer clients to a licensed professional when their needs go beyond coaching. The health coaches page covers the features that fit.

Can I try Coachful before moving my clients?

Yes. Start a free trial, request the import, and test the full client journey with a test client before anyone is invited. Keep Simply.Coach running until your cutover day, so you can switch only when everything works.
