How to Migrate From CoachAccountable: Data, Payments, Timeline

How to Migrate From CoachAccountable: Data, Payments, Timeline

To migrate from CoachAccountable without losing a client, export each client's coaching history while your account is still active, rebuild your action plans, metrics, worksheets and agreements in the new platform, run both systems side by side for about two weeks, and move every paying client onto a new checkout before you cancel. Recurring payments are the one part that never moves on its own, so they get their own section below. Most solo practices can finish the whole move in three to four weeks.

This guide walks through the full switch in order: why coaches leave, what CoachAccountable lets you take with you, how each piece of your setup maps to Coachful, a week-by-week timeline, client emails you can paste, the payment changeover, a cutover checklist and the free white-glove import and build that does most of the rebuilding for you. If you are still choosing a destination, start with our ranked list of CoachAccountable alternatives or the side-by-side Coachful vs CoachAccountable comparison, then come back here for the move itself.

Why do coaches migrate from CoachAccountable?

Coaches usually leave CoachAccountable because of how it charges as a practice grows, and because it covers the coaching back office but not the parts of the business that bring clients in. It is a well-reviewed tool (Trustpilot 4.8 from 47 reviews, as listed in October 2026), so the reasons are about fit rather than quality.

CoachAccountable homepage
CoachAccountable's homepage in October 2026.

Here is what its own pages and our October 2026 vendor profile show:

  • Pricing scales with every active client. As listed in October 2026, CoachAccountable starts at $20 a month for 2 active clients, then $40 for 5, $70 for 10, $120 for 20, $250 for 50 and $400 for 100. The ladder keeps climbing to $4,000 a month for 1,000 clients. There is no annual discount; the pricing FAQ answers the discount question with "Nope!"
  • Group members count one by one. The pricing FAQ says each person in a group, couple or company engagement needs a separate account and is a separate client. A 25-person cohort therefore counts as 25 active clients on top of your one-to-one roster. If you are scaling from 1-on-1 to group coaching, this is usually the moment the bill gets noticed.
  • No website, landing pages or marketing automation. Our earlier profile of CoachAccountable found no website builder, sales pages or email marketing, so most coaches pay for those separately and connect them by hand.
  • No native mobile app. The same profile noted clients use CoachAccountable in a mobile browser rather than a dedicated app.

To be fair to it, CoachAccountable includes its full feature set on every plan, adds unlimited coach and administrator accounts at no extra cost, and lets you deactivate clients so they stop counting. Its pricing page also states no setup fees, no cancellation fees and cancellation "with just a few clicks". If your practice is small, mostly one-to-one and already has a website you like, staying can be reasonable. Our guide to tracking client habits without CoachAccountable covers the narrower case where accountability tracking is the only thing you want to change.

What does it cost to stay compared with moving?

The gap depends almost entirely on how many active clients you carry, including group members. The table puts CoachAccountable's listed prices next to Coachful's plans at the same client counts.

CoachAccountable prices are as listed in October 2026 on its pricing page and count active clients only.

Coachful charges a flat monthly plan. Lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats. Since August 2026 Coachful takes a 0% platform fee on client payments, so the only deduction is your own Stripe or Razorpay processing. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.

What can you export from CoachAccountable?

CoachAccountable documents a per-client Export on the Clients tab that exports that client's full coaching history, and a bulk CSV import for bringing clients in. The export it describes works per client rather than in bulk, so plan on exporting client by client for anyone whose history you want to keep.

Before you start, know what the vendor says and does not say:

  • Per-client history export. Open each client on the Clients tab and use Export. Save every file into one folder per client, named the way you will look for it later (for example Surname Firstname, coaching history, exported 2026-11-02).
  • Your roster. Build a simple spreadsheet of name, email, phone, time zone, status (active or inactive), current program, sessions remaining and payment method. You will hand this to the import team, so one row per client.
  • Templates you built. Worksheets, course lessons, agreement text and recurring action items are your intellectual property. Copy the text and attachments into documents before you cancel, even if you plan to rebuild them.
  • Billing records. Download or print the invoices and payment history you need for your accounts. Your processor (Stripe, Square or PayPal) also keeps its own records, which do not disappear when you leave CoachAccountable.
  • Previous clients' access. The pricing page says you can give previous clients lifetime access to their work at no extra cost. It does not say what happens to that access after you close your own account, so ask CoachAccountable support in writing before you cancel and tell past clients to save anything they want.

CoachAccountable also lists API documentation in its site footer. If you have hundreds of clients, ask its support team whether a bulk export through the API is an option before you spend an afternoon clicking Export.

Practical tip: CoachAccountable lets you deactivate clients at any time, and only active clients count toward your plan. As clients move over, deactivate them and drop to a lower level so you are not paying full price during the overlap. Export first, then deactivate.

How does CoachAccountable data map to Coachful?

Almost everything in a CoachAccountable account has a direct home in Coachful, and a few things (your website, funnels and email marketing) gain one for the first time. Use this table as your rebuild list.

The two items that need the most thought are metrics and action items, because they are the heart of how CoachAccountable coaches work. In Coachful, a metric you check daily (sleep hours, sales calls made, workouts) usually becomes a habit with a streak, while a metric you review weekly becomes a weekly check-in question. Recurring action items become daily tasks or weekly goals inside a program, so a client sees the same structure every week without you re-sending it.

This short walkthrough shows how check-ins work in Coachful, which is the part most CoachAccountable users want to see first:

Goals connect the two. A demo goal page shows how tasks and habits roll up under it, so the client sees why the daily work matters.

How long does a CoachAccountable migration take, step by step?

Plan on three to four weeks for a solo practice with up to about 50 clients: one week to export and build, two weeks running both systems, and a final week to close the old account. Larger rosters or several coaches add time to the export, not to the overall shape.

WeekWhat happensYou are done when
Coachful week 0Start the free trial, submit a white-glove build request, connect Stripe or Razorpay and your calendarThe build request is in and payments are connected
Week 1Export every client, copy templates, send the roster for import, review the rebuilt programs and pagesEvery active client exists in the new account with the right program
Week 2Announce the move, send invites, move the first group of clients and their paymentsAbout half your active clients have logged in
Week 3Move the remaining clients, cancel old recurring billing as each new one starts, re-point booking linksNo client books or pays through CoachAccountable
Week 4Final exports, deactivate remaining clients, cancel the CoachAccountable subscription before renewalThe old account is closed and your archive is saved

Here is the same plan as steps you can tick off.

  1. Pick a cutover date. Choose a date about three weeks out, ideally just before your CoachAccountable renewal so you do not pay for an extra month. Avoid the week a cohort starts.
  2. Freeze changes to templates. From today, edit worksheets and programs only in the new account, or you will be rebuilding twice.
  3. Export client by client. Use the per-client Export on the Clients tab for every active and recent client. Check one file opens correctly before you do the rest.
  4. Build your roster spreadsheet. One row per client with program, sessions remaining, next session date, payment method and renewal date.
  5. Request the build. In Coachful, open Create and choose the free build service. Attach your roster, worksheet text and course outlines. Describe your programs in plain words.
  6. Connect payments and calendars. Connect your own Stripe (or Razorpay) account and your Google, Apple/iCloud or Outlook calendar so availability is correct from day one.
  7. Review what was built. Walk through each program as a client would. Check task wording, habit names, check-in times and agreement text.
  8. Announce and invite. Send the announcement email, then the invite email in batches so you can answer questions as they come in.
  9. Move payments client by client. Send each paying client a new checkout link timed to their next billing date, then cancel the old recurring charge. Details below.
  10. Re-point every link. Website buttons, email signature, social bios and any scheduling links that pointed to CoachAccountable.
  11. Close out. Export anything new, deactivate remaining clients, then cancel. Keep your archive folder somewhere you back up.

If any of your clients are in the middle of a fixed program, let them finish the current week or module in CoachAccountable and start the next one in Coachful. A clean break at a natural boundary feels intentional; a move halfway through a week feels like a glitch.

What should you tell your clients, and when?

Tell clients early, tell them once with the reason, and then give them one clear action at a time. Three emails cover it: an announcement about two weeks before cutover, an invite on the day their account is ready, and a payment email for anyone on recurring billing. Edit the bracketed parts and paste.

Email 1: the announcement (about two weeks before)

Subject: A better home for our coaching work

Hi [First name],

From [date], our sessions, goals and check-ins will move to a new coaching app called Coachful. You will get your own login with everything in one place: your program, daily tasks, habits, session bookings and our messages, on your phone or laptop.

Nothing changes about how we work together. Your current [program name] continues as planned, and I will bring over the goals and notes we have built so far.

You do not need to do anything yet. In about a week you will get an invite email with a link. If you want a copy of your current history in CoachAccountable, now is a good time to save it.

Any questions, just reply to this email.

[Your name]

Email 2: the invite (when their account is ready)

Subject: Your new coaching space is ready

Hi [First name],

Your Coachful account is set up. Use the invite link I have sent you to set up your login, then take two minutes to look at your program and this week's tasks.

From now on, please book sessions through [new booking link] and log your check-ins in the app. Your next session on [date and time] is already in your calendar.

If anything looks wrong or missing, reply here and I will fix it before our next session.

[Your name]

Email 3: the payment switch (recurring billing only)

Subject: Updating your payment for [program name]

Hi [First name],

As part of the move, your [monthly payment / payment plan] needs to be set up again on the new system. Your price and schedule stay the same: [amount] every [period], next due on [date].

Please use this secure checkout link before [date]: [checkout link]. As soon as it is active, I will cancel the old payment so you are never charged twice. You will get a confirmation from me when that is done.

These are mainly service messages to existing clients about their account, a kind of relationship message that the FTC's CAN-SPAM compliance guide treats as exempt from most of the Act's provisions. If you add promotional content (a new offer, an upsell), the full rules apply: an accurate subject line, your physical postal address and a working opt-out honored within 10 business days. If you also move testimonials onto a new website, the FTC's Endorsement Guides FAQ is worth a read before you publish them.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

What happens to payments and subscriptions when you leave CoachAccountable?

Recurring payments do not move automatically between coaching platforms. Each platform creates and manages its own subscriptions, so a subscription or payment plan set up through CoachAccountable keeps charging on its existing schedule until you cancel it, and Coachful cannot take it over. Each paying client goes through a new checkout in Coachful, then you cancel the old charge.

Be precise about each case:

  • Stripe subscriptions and payment plans. If CoachAccountable charged clients through your own Stripe account, that account and its payment history stay yours when you leave. What does not carry over is the billing logic: the new platform will not pick up an existing subscription and start managing it. Do not assume a client's saved card can be reused either; plan for every recurring client to enter payment details at the new checkout.
  • Square. Coachful connects to Stripe Connect or Razorpay, not Square. Clients paying through Square move to card, Apple Pay or Google Pay on a Coachful checkout. Cancel any recurring Square charges once the new payment is live.
  • PayPal. Coachful does not support PayPal. If some clients only pay by PayPal, tell them in the payment email and offer card, Apple Pay or Google Pay instead.
  • One-time packages already paid. Nothing to move. Record the sessions remaining on the client record (for example as session credits) so the balance carries over, and note the original payment date.
  • Open invoices. Let them be paid where they were issued, or void them and reissue as a manual invoice in Coachful. Do not leave the same invoice open in both places.

The safest order for each client is: send the new checkout link a few days before their next billing date, confirm the new payment succeeded, then cancel the old subscription in the system that created it. Keep a column in your roster for "new payment live" and "old billing cancelled" and fill both before cutover day. If you turn on Stripe Tax for sales tax or VAT, check the settings with an accountant, especially if you sell across borders.

In Coachful, payments run through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax. Each transaction produces an invoice, and you can create manual invoices for anything off-platform. Our page on coaching payment software covers the setup in more detail.

What goes on the cutover checklist?

The cutover checklist is the list of things that must be true before you cancel CoachAccountable. Work through it in the last week and do not cancel until every row is done.

Why move to Coachful rather than another coaching tool?

We make Coachful, so weigh this section accordingly. Coachful is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs rather than only sessions, solo coaches growing into a small team, and coaches replacing four to six separate tools.

For a CoachAccountable user, the parts that matter most are:

  • Between-session delivery. Multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. This is the CoachAccountable accountability loop, delivered inside the client's branded app.
  • Client status at a glance. Each client is marked thriving, active, quiet or at risk, with an AI briefing per client before sessions.
  • Scheduling. Booking pages with availability rules, buffers, minimum notice and time-zone detection; two-way Google, Apple/iCloud and Outlook sync; built-in video or auto-created Zoom, Meet or Teams links; email reminders, plus SMS and WhatsApp reminders once messaging is enabled. See scheduling software.
  • Agreements. Coaching agreements with e-signature, sent before the first call and stored on the client record. See coaching contracts.
  • Groups without per-member billing tiers. Cohort groups are created automatically on program enrollment, with a community feed, group chat and video events. Pro is unlimited, so a large cohort does not push you up a ladder. See group coaching software.
  • The front of the business. A section-based website builder with 30 designed homepage templates, funnels, email lists, broadcasts and sequences, which CoachAccountable does not offer.
  • Michelle, the AI assistant. Works from your live practice data: builds programs, drafts emails, summarizes recorded sessions and briefs you before sessions. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits.

What Coachful does not do, so you can rule it out quickly if one of these matters:

  • It is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing.
  • No PayPal and no permanent free plan.
  • The client app ships under the Coachful listing with your branding, not under your own App Store account.
  • No Salesforce or HubSpot integration, no multi-stage sales deal board for large teams, and no third-party plugins.
  • No Garmin, Fitbit, Whoop or Oura sync.

Coachful is rated 4.5 on Trustpilot from 21 reviews. To start, open a free trial and request the white-glove build on day one so it runs while you export. If you want to compare first, the CoachAccountable alternative page and our broader coaching software overview set out the options.

How does the Coachful white-glove import and build work?

Coachful imports your clients, programs and content for you during onboarding, and its white-glove team builds the rest inside your own account, free on every plan. You describe what you want; the team builds it, usually within about 24 hours.

Why Coachful stands out: a free white-glove service. Most migrations stall at the rebuild: recreating every action plan, worksheet and course by hand while still coaching full time. In Coachful you open Create > We'll build it for you · FREE (the same option appears as a "Want us to build it for you?" card on the Website, Funnels and Programs pages and in the template galleries), describe what you need, and attach up to 8 reference links and up to 10 files: your roster spreadsheet, exported worksheets, lesson text, logo, photos or brand guide. The team builds it in your account.

The Create page in Coachful with the free build-it-for-you card.

For a CoachAccountable move, the most useful requests are:

  • A program rebuilt from your action plans and metrics, with weekly goals, daily tasks, habits and check-ins.
  • Forms and worksheets recreated from the questions you copied.
  • A course outline and written material from your existing lessons (video recording is not included).
  • A website and booking funnel, since CoachAccountable did not give you one.
  • An email sequence for new leads, or a welcome flow for new clients.

Two things the team will not do: invent anything (no made-up credentials, testimonials or prices; gaps are left for you to fill) or take on recording videos, logo design, ad management or ongoing marketing. Recent anonymized builds include a leadership coach with a website renewal days away who got one clean homepage with a repeated "talk with me" button, and a real-estate and money coach who got a year-long cohort program with an application form, an eight-page site and a free nine-day bootcamp funnel. More examples are in our write-up of the free white-glove service.

Frequently asked questions

Can I export all my clients from CoachAccountable at once?

What CoachAccountable documents is a per-client Export on the Clients tab, which exports that client's full coaching history. It also publishes API documentation, so if you have a large roster, ask its support team whether a bulk export is possible. Either way, export while your account is active.

Will my clients lose their history when I cancel CoachAccountable?

CoachAccountable says you can give previous clients lifetime access to their work at no extra cost, but its pricing page does not say what happens to that access once your own account closes. Ask support in writing, and tell clients to save anything they want before your cutover date.

Do Stripe subscriptions move automatically to Coachful?

No. Subscriptions and payment plans created through CoachAccountable stay with that setup until you cancel them, and Coachful cannot take them over. Each recurring client completes a new checkout in Coachful, and you cancel the old charge once the new one succeeds.

How long does it take to migrate from CoachAccountable?

About three to four weeks for a solo practice with up to about 50 clients: a week to export and build, two weeks running both systems, and a final week to close the old account. The white-glove team usually turns each build request around within about 24 hours, which keeps the first week short.

What replaces CoachAccountable metrics and action items?

Daily metrics usually become habits with streaks, weekly metrics become check-in questions, and recurring action items become daily tasks or weekly goals inside a program. Goals with progress bars tie them together, so the client sees the same accountability loop in their branded app.

Is the white-glove build really free?

Yes. The white-glove build service is free on every Coachful plan. You describe what you want, attach up to 8 links and 10 files, and the team builds it inside your account, usually within about 24 hours. It does not cover video recording, logo design, ads or ongoing marketing.

Can clients who pay by PayPal keep paying the same way?

Not in Coachful, which does not support PayPal. Payments run through your own Stripe or Razorpay account, with cards, Apple Pay and Google Pay. Tell PayPal clients in the payment email and give them the new checkout link.

Should I cancel CoachAccountable before or after moving clients?

After. Keep it running until every client is active in the new account and every recurring payment has been switched. To cut costs during the overlap, deactivate clients in CoachAccountable as they move and drop to a lower level, since only active clients count.

What about my ICF coaching hours logged in CoachAccountable?

Keep the per-client exports as your record of hours coached before the move. From then on, Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours.

Is Coachful a fit if I coach clients with health conditions?

Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical records or insurance billing. Coaching is not treatment: if a client needs diagnosis or therapy, refer them to a licensed professional and keep your coaching within scope.
