How to Migrate from Satori Without Losing a Client

To migrate from Satori without losing a client, work in this order: export your ICF coaching log and capture every client's record, package balance and next billing date; rebuild your packages, booking pages and contracts in the new platform; invite clients with a short, dated email; then move each paying client's billing on their own renewal date instead of all on one day. The part that needs the most care is payments. Subscriptions and payment plans created through Satori, whether on Stripe or PayPal, do not carry over to another platform by themselves. For most solo practices the whole switch takes three to five weeks, with Satori kept open until the last client has been billed somewhere else.
We make Coachful, so this guide uses Coachful as the destination. The sequence works for any platform you pick: export first, rebuild second, move billing last. If you would rather not do the rebuild yourself, Coachful's team imports your clients, programs and content during onboarding and builds your pages through the free white-glove service, which is covered near the end. If you are still comparing options, our ranked list of Satori alternatives and the Satori alternative overview are better places to start.

Why do coaches migrate from Satori?
Most coaches leave Satori because their practice has outgrown what it was built for: a tidy back office for scheduling, packages, invoices and contracts. Satori is built around the session side of coaching. The gaps show up when a coach wants to run programs between sessions, sell from their own site, or grow past a plan's client cap.
Here is what Satori documents, and what earlier public profiles of the product reported:
- Active-client caps by tier. Only active clients count toward billing, and each tier caps them. In October 2026 the Essentials plan was listed for up to 10 active paying clients. Earlier listings put Pro at 50 active clients and Leader at 150.
- No website, landing pages, courses or community. Earlier product profiles reported none of these as built in, so coaches who sell programs usually pay for a site builder, a course tool and a community app on top.
- No native mobile app and no native Zoom integration (as reported in earlier profiles). Clients use the portal in a browser, and video links are handled outside the tool.
- Payments through PayPal or Stripe, with no Satori fee on client payments; only standard PayPal and Stripe fees apply.
- Little public review data. Satori's Trustpilot page had no reviews in October 2026; an earlier Capterra listing showed 4.5 from 13 reviews.
None of these is a flaw if all you need is booking and invoicing for a few one-to-one clients. They become a reason to move when the practice shifts toward programs, groups and selling online, and the monthly bill for the extra tools grows alongside it.

How do Satori and Coachful compare before you switch?
The short version: Satori covers booking, packages, invoices and contracts, while Coachful adds the between-session delivery, website, courses and community that coaches leaving Satori usually buy elsewhere. Criteria used below: one login for the whole client journey, between-session delivery, total stack cost, and setup effort.
| Platform | Entry price | Client limit | Payment processors | Between-session delivery | Website, courses, community |
|---|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Lower plans cap clients; Pro is unlimited | Your own Stripe Connect or Razorpay account; 0% platform fee; no PayPal | Multi-week programs, habits, morning and evening check-ins, goals with progress bars, streaks | All included in your Coachful membership |
| Satori | Essentials $33/month; annual billing listed as "2 months free" (September 2026 listing) | Essentials: 10 active paying clients (October 2026); Pro: 50; Leader: 150 (September 2026 listing) | PayPal and Stripe; no Satori fee on client payments | Packages and programs through a client portal | Not built in, per earlier product profiles |
Satori also offers a free Scholar plan for people studying for a coaching certification, which is the right home if you are still logging pro bono hours (see moving from pro bono to paid coaching). Coachful has no permanent free plan, only a free trial. If you match plans by client count, a Satori Pro practice with 50 clients maps to Pro: $99/month with unlimited clients, and a Leader practice to Pro: $99/month with unlimited clients.
What can you export from Satori?
The one export Satori documents is a coaching-log export for ICF credentialing. A general export of client records was not something we could verify on Satori's public pages in October 2026, so plan to capture the rest yourself, and ask Satori support in writing what they can provide before you cancel.
Ask support a precise question so you get a precise answer. Something like: "Before I close my account, can you send me a CSV or file of my clients (name, email, phone), their package balances, session history, notes, signed contracts and invoices?" Then work through this list whatever the answer is:
- Download the ICF coaching log. This is your record of past coaching hours, with client names, dates and paid or pro bono status. Keep the file somewhere permanent. If you are working toward ACC or PCC, you will need it.
- Copy the client roster. Name, email, phone, time zone, start date, active or archived. A spreadsheet is enough. Add two columns you will need later: "package balance" and "next billing date".
- Save signed contracts as PDFs. Open each signed agreement and download or print it to PDF. File names like lastname-firstname-agreement-2026.pdf make the import step faster.
- Save session notes. If there is no bulk export, copy notes per client into a document. Do the active clients first; archived clients can wait until the last week.
- Record package and session-credit balances. For each active client: package name, sessions used, sessions remaining, expiry date if any.
- Export or screenshot invoices and payment history. You want a record of who paid what and when, for your accountant and for any refund question later.
- Copy package descriptions, booking page text and intake questions. These are what you will rebuild, and having the wording saves an afternoon.
- List every active subscription and payment plan, with the processor (Stripe or PayPal), amount, interval and next charge date. This is the single most important sheet in the migration.
Do the export before you change anything else. A migration where the old account is closed first and the data gathered second is how notes and balances go missing. The same order applies to any coaching tool; our guide to migrating from a discontinued coaching CRM goes deeper on recovering records when an export is thin.
Where does each piece of Satori data go in Coachful?
Every Satori object has a direct home in Coachful, and most of them land on the client record. Use this map to sort your export into piles.
| What you have in Satori | Where it goes in Coachful | How it moves |
|---|---|---|
| Client roster | Clients, with tags and a status of thriving, active, quiet or at risk | Imported for you during onboarding from your spreadsheet |
| Session notes | Notes on the client record | Imported from your documents; keep the originals |
| Packages and programs | Offers (paid sessions, session credits) and multi-week programs with weekly goals, daily tasks and habits | Rebuilt as offers; programs imported or built with you |
| Package balances | Session credits on the client | Re-entered per client from your balance sheet |
| Booking pages and availability | Booking pages with availability rules, buffers, minimum notice and time-zone detection | Rebuilt; connect Google, Apple/iCloud or Outlook calendar |
| Intake questions | Intake questions on booking, stored on the client record | Copied from your saved wording |
| Contracts | Coaching agreements with e-signature, stored on the client record | Signed PDFs uploaded to Agreements; new template for new clients |
| Invoices and payment history | Payments tab with an invoice per transaction, plus manual invoices | Old invoices stay as your archive; new ones start in Coachful |
| Subscriptions and payment plans | Subscriptions and payment plans through your own Stripe Connect or Razorpay account | Recreated; each client checks out again on their renewal date |
| ICF coaching log | ICF credential tracking against ACC, PCC and MCC thresholds | Keep the Satori file for past hours; new sessions count automatically |
| Client portal | The client's branded home and app | Clients get an invite to log in |
| Group coaching (Pro and Leader) | Cohort groups created automatically on program enrollment, group calls, community feed | Rebuilt as a group program |

The data map also shows what you gain on the other side. Satori stores the relationship; Coachful also runs the work between sessions. Each client record holds goals, check-ins, habits, notes, intake answers, tags, payments, sessions and an AI briefing before each call, so you open one screen instead of four.
How long does a Satori migration take?
Three to five weeks for a solo coach with 10 to 50 active clients, most of it waiting for billing dates to come round. The hands-on work is a few evenings. The timeline below assumes monthly billing; if your clients pay quarterly, stretch week four to cover the longest billing cycle.

| Week | What you do | What clients notice |
|---|---|---|
| Week 0: prepare | Export the ICF log, roster, contracts, notes, balances, invoices and subscription list. Start the Coachful free trial and request the import. | Nothing |
| Week 1: build | Connect Stripe, calendar and video. Rebuild offers, booking pages, contract template, intake questions and the first program. Test a booking and a checkout yourself. | Nothing |
| Week 2: announce | Send the announcement email. Move new bookings to Coachful links. Upload signed contracts. Invite clients to their new home. | An email, then a login invite |
| Weeks 3 to 4: move billing | Cancel each Satori subscription before its next charge and send that client a Coachful checkout for the same date. | One checkout link on their usual billing date |
| Week 5: close | Confirm no charges are pending, download any last records, then downgrade or cancel Satori. | Nothing |
Step-by-step migration
- Freeze changes in Satori. Pick a date after which you stop creating new packages or subscriptions in Satori. New clients from that date go straight into Coachful.
- Run the export list above. Keep everything in one folder named with the date.
- Open Coachful and connect the plumbing. Connect your Stripe account through Stripe Connect (or Razorpay), then your calendar (two-way sync with Google, Apple/iCloud or Outlook) and your video option: built-in video or auto-created Zoom, Meet or Teams links. Satori did not have a native Zoom integration in earlier profiles, so this is often the first visible improvement.
- Rebuild your offers. Each Satori package becomes an offer: paid sessions, a bundle of session credits, a subscription or a payment plan. Keep the same names and prices so clients recognise them. Coupons, order bumps, Apple Pay and Google Pay are available at checkout.
- Rebuild booking pages. Copy your availability rules, buffers and minimum notice. Add the intake questions you saved. Turn on email reminders, plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled.
- Set up your coaching agreement. Paste your contract text into a template so new clients e-sign before the first call. See coaching contracts for how it attaches to booking.
- Import clients and history. Send the roster, notes and program material to the onboarding team, or add clients yourself. Upload each signed Satori contract as a PDF to that client's Agreements tab.
- Re-enter session credits. Give each client the exact balance from your sheet, so a client with three sessions left still has three.
- Test as a client. Make a test booking, sign the test contract, buy a low-priced test offer with your own card and refund it. Check that the reminder email arrives and the session appears on your calendar.
- Announce and invite. Send the email templates below, then the login invites.
- Move billing one client at a time on each renewal date, following the payments section below.
- Close Satori once the last subscription has moved and no charges are pending.

Here is a short walkthrough of how a new client is onboarded in Coachful, which is the experience your Satori clients will have when they accept the invite.

What should you tell your clients, and when?
Tell clients once, early, with a date, and tell them exactly what they need to do, which is usually nothing until an invite arrives. Three short emails cover it: the announcement, the invite, and a billing note for anyone on a subscription or payment plan. Send them from your own address; these are relationship messages to existing clients, but if you also email past clients or leads, the FTC's CAN-SPAM compliance guide applies: an accurate sender, a non-deceptive subject line, a valid postal address and a working opt-out.
Email 1: the announcement (send in week 2)
Subject: A new home for our coaching, from [date]
Hi [first name],
A quick heads-up: from [date], I'm moving my coaching practice to a new platform called Coachful. Your sessions, your package and everything we've agreed stay exactly the same.
What changes for you: you'll get one place to book sessions, see your notes and goals, and check in between calls, on your phone or laptop. You'll receive a login invite from me in the next few days.
What you need to do: nothing yet. Keep any session already booked; I'll honour it as planned. If you have [X] sessions left in your package, you'll still have [X] sessions on the new platform.
Any questions, just reply to this email.
[Your name]
Email 2: the invite (send 2 to 3 days later)
Subject: Your login for our coaching space
Hi [first name],
Your new coaching space is ready. Use the invite link in the separate email from Coachful to set your password; it takes about two minutes. Once you're in, you'll see [your next session on (date) / your program, starting with this week's goal].
From now on, please book through the new booking link: [link]. The old link will stop working on [date].
See you on [date],
[Your name]
Email 3: the billing note (send 5 to 7 days before each client's renewal)
Subject: Your next payment, and one quick step
Hi [first name],
Your next payment for [package name] is due on [date]. As part of the move, I've cancelled the old payment so you won't be charged twice. On [date], please use this secure checkout to continue: [checkout link].
The amount is the same: [amount] every [month/4 weeks]. You can pay by card, Apple Pay or Google Pay. If you'd rather settle up differently this month, reply and we'll sort it out.
Thank you,
[Your name]
Adjust the wording to sound like you. Avoid promising anything you cannot confirm yet, such as a specific app feature, and keep the dates real. If a client is mid-program, add one line saying their progress continues where it left off.
What happens to Stripe and PayPal subscriptions when you leave Satori?
They stay where Satori created them, and they keep charging until you cancel them. Coachful cannot take over recurring billing that another platform set up, so each subscription has to be cancelled on the old side and started again on the new side. Your clients' payment history stays in your Stripe or PayPal account either way.
Be precise about each case:
- Stripe subscriptions created through Satori. These are set up and managed by Satori's integration. Connecting the same Stripe account to Coachful does not hand those subscriptions to Coachful; Coachful only manages subscriptions it creates. Cancel each one at the end of its current period (in Satori, or in your Stripe dashboard if Satori created it in your own account), then have the client check out through a Coachful subscription offer dated for the next billing day.
- PayPal subscriptions. Coachful does not support PayPal, so these clients move to card, Apple Pay or Google Pay through Stripe. Cancel the PayPal subscription before the next charge and send the billing email above. Mention the change of payment method in the email so it is not a surprise.
- Payment plans. Treat the remaining instalments as a new payment plan in Coachful for the balance only. If a client owes three of six payments, create a three-payment plan for the remaining amount, and note the original agreement on their record.
- One-time packages. Nothing to move. The client already paid; you re-enter the remaining session credits.
- Saved cards. Assume clients will enter their card again at the new checkout. It takes a minute and avoids any question about who authorised a charge.
The rule that prevents double charges: cancel the old subscription first, then send the new checkout. If you send the checkout first and the client pays before you cancel, refund the duplicate straight away. Keep the subscription sheet open through weeks 3 and 4 and tick each client off when both sides are done.
Two money notes. First, Coachful charges a 0% platform fee; you pay only Stripe or Razorpay processing, and Satori takes no fee on client payments either, so processing costs should look similar. Second, refunds for payments taken before the move are handled where they were taken, so keep Satori and PayPal access until the refund window on your last old payment has passed. If your bookkeeping changes as part of the move, check the details with an accountant. More on the setup in coaching payment software.

How do contracts, session credits and ICF hours carry over?
Signed contracts carry over as PDFs, session credits carry over as numbers you re-enter, and ICF hours carry over as your exported Satori log plus new hours Coachful counts from each session.
Contracts. A contract a client signed in Satori is still a valid record of your agreement; you do not need them to sign again. Upload the signed PDF to the client's Agreements tab so it sits with their sessions and payments. New clients sign your Coachful agreement by e-signature before their first call. If you change the terms (new cancellation policy, new payment method), that is the moment to ask existing clients to sign the updated version.

Session credits. Use the balance sheet from your export. Enter the remaining credits per client and add a note with the original purchase date, so an expiry rule from your old terms is still traceable.
ICF hours. Keep the Satori coaching-log export as your permanent record of hours before the switch. From the cutover date, Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds, and exports an ICF client coaching log with paid and pro bono hours. Ask the onboarding team whether your past session history can be imported so the running total starts in the right place. Details in ICF hour tracking.

What changes for clients after the move?
Clients move from a browser portal to a branded home and app where sessions, programs, goals and check-ins sit together. The client app ships under the Coachful listing with your branding, rather than under your own App Store account, which is worth one line in your announcement if clients ask.
The bigger change is between sessions. Instead of a package of calls, you can run a multi-week program with weekly goals, daily tasks, habits and morning and evening check-ins, and see on your dashboard who is thriving, active, quiet or at risk. Group clients from a Satori Pro or Leader plan get a cohort group created automatically when they enrol, with a community feed, group chat and video events. See group coaching software for how cohorts are set up, and our guide to scaling from 1-on-1 to group coaching if the move is also the moment you add a group offer.

If you had a separate website, course tool or community app alongside Satori, the move is also the chance to fold them in: a section-based website builder with a blog and custom domain, courses with drip and completion tracking, email broadcasts and sequences, and booking or lead-magnet funnels are included in your Coachful membership. Move them after the client migration settles, not during it. See the coach website builder.
What is on the Satori cutover checklist?
Use this table on cutover week. Nothing should be marked done until you have tested it as a client would.
| Item | Check | Done when |
|---|---|---|
| ICF coaching log | Exported from Satori and saved in two places | File opens and hours match your own count |
| Client roster | Every active client in Coachful with correct email and time zone | Roster count matches Satori's active count |
| Notes | Active clients' notes on their records | You can prep a session from Coachful alone |
| Contracts | Signed PDFs uploaded; template live for new clients | A test booking sends the agreement |
| Session credits | Balances re-entered | Each total matches your balance sheet |
| Stripe or Razorpay | Connected; a test payment taken and refunded | The test invoice appears on the Payments tab |
| Calendar and video | Two-way sync on; video links created | A test session shows on your calendar with a link |
| Booking links | Website, email signature and social bios point to the new link | No live link points to Satori |
| Reminders | Email reminders on; SMS and WhatsApp once messaging is enabled | A test reminder arrives |
| Subscriptions | Each Satori or PayPal subscription cancelled before its next charge | Every row on the subscription sheet ticked twice |
| Client invites | Sent, with follow-up for anyone who has not logged in | Every active client has logged in once |
| Satori account | Downgraded or cancelled after the last charge and refund window | No pending charges on either side |
How does the Coachful white-glove import and build work?
Coachful's team imports your clients, programs and content during onboarding and builds pages, funnels, programs and emails inside your account, usually within about 24 hours of a request. You describe what you want; they build it; you review and publish.

Why Coachful stands out: a free white-glove service. On every plan, from Create > We'll build it for you · FREE, or the "Want us to build it for you?" card on the Website, Funnels and Programs pages, you can ask the team to build a website, a funnel, an offer or sales page, a program, a course outline and written material, a coaching flow, a form or worksheet, an email sequence, a link-in-bio page, an event or an automation. Attach up to 8 reference links and up to 10 files, such as your logo, photos, brand guide, the package descriptions you copied from Satori, or your contract text. Video files are not accepted.

For a Satori migration, a sensible first request is: "Rebuild my three packages as offers, a booking page with these intake questions, and a one-page site with a book-a-call button." Nothing gets invented in the build: no credentials, testimonials or prices you did not provide. Gaps are left for you to fill. The service does not cover recording videos, logo design, ad management or ongoing marketing.
Recent builds give a sense of scope. A leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. A business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up guide funnel and rewritten follow-up emails. A somatic coach leaving Kajabi had the homepage and About page rebuilt and the contact form connected. More examples in our post on the free white-glove service.

What Coachful is, and what it does not do
Coachful is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and Michelle, a built-in AI assistant that works from your practice data. It is built for coaches who deliver programs rather than only sessions, solo coaches growing into a small team, and coaches replacing four to six tools. The company is based in Tallinn, Estonia, and has a Trustpilot rating of 4.5 from 21 reviews.
It is not for everyone. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. It does not support PayPal, has no permanent free plan, and has no sync with Garmin, Fitbit, Whoop or Oura. There is no multi-stage sales deal board for large teams and no Salesforce or HubSpot integration. If you are on Satori's free Scholar plan while studying, it may make sense to stay until you have paying clients.
How to start: open a free trial, request the import and your first white-glove build, and run the export list above while the team works. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. Monthly plans cancel in one click. For a broader look at the category, see coaching software or compare platforms.
Frequently asked questions
How long does it take to migrate from Satori?
Plan on three to five weeks for a solo practice. The export and rebuild take a few evenings; the rest is waiting for each client's billing date so nobody is charged twice. Quarterly billing stretches the timeline to the end of the longest cycle.
Can I export my client list from Satori?
Satori documents a coaching-log export for ICF credentialing; a general client-data export was not something we could verify on its public pages in October 2026. Ask Satori support in writing what they can send, and copy your roster, notes and balances into a spreadsheet yourself as a backup before cancelling.
Will my Stripe subscriptions move to Coachful automatically?
No. Subscriptions created through Satori stay managed by Satori even if you connect the same Stripe account to Coachful. Cancel each one at the end of its current period and send the client a Coachful checkout for their next billing date.
What happens to clients who pay through PayPal?
Coachful does not support PayPal, so those clients switch to card, Apple Pay or Google Pay through your Stripe account. Cancel the PayPal subscription before the next charge and explain the change in the billing email.
Do clients need to re-sign their coaching contracts?
Not if the terms stay the same. Upload the signed PDF from Satori to the client's Agreements tab. Ask for a new signature only if you change terms such as cancellation policy or payment method.
Will I lose my ICF coaching hours?
Not if you export Satori's coaching log before closing the account and keep that file. From the switch onward, Coachful counts hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log. Ask the onboarding team whether past session history can be brought in.
Is the white-glove migration help really free?
Yes. The white-glove build service is free on every plan: you describe what you want, attach up to 8 links and 10 files, and the team builds it in your account, usually within about 24 hours. It does not include recording videos, logo design, ads or ongoing marketing.
Should I cancel Satori before or after setting up Coachful?
After. Keep Satori open until every subscription has moved, no charges are pending and the refund window on your last Satori payment has passed. Cancelling first risks losing notes and leaves you unable to cancel old subscriptions cleanly.
Can I keep the same prices and package names?
Yes, and you should. Rebuild each Satori package as a Coachful offer with the same name and price, so clients recognise it at checkout. If you want to raise prices, do it after the migration has settled, not in the same email.
Is Coachful a fit if I coach clients in a health setting?
Coachful supports health and wellness coaching, not treatment. It is not HIPAA-certified and is not for clinical records or insurance billing, so practitioners who need those should stay with a clinical tool. Coaches should refer clients to a licensed professional when a concern goes beyond coaching scope.
