How to Migrate From Practice Better Without Losing Clients

To migrate from Practice Better without losing clients, export each client's archive and your contact spreadsheet (or ask support for a bulk export), map every record to its new home, rebuild your programs and booking pages, then recreate recurring payments in your own Stripe account before you cancel. For a solo coach this usually takes two to four weeks, with both systems running side by side for one billing cycle. The order matters more than the speed: clients should never hit a dead link, a missed reminder or a double charge.
This guide covers the whole move: why coaches leave, what Practice Better documents about exporting, a data map, a week-by-week timeline, paste-ready client emails, how subscriptions really move, a cutover checklist and the free white-glove import Coachful runs for new members. We make Coachful, so we say plainly where it fits and where it does not. If you are still deciding whether to leave, read our Practice Better review and the Practice Better vs Coachful comparison first.

Why do coaches migrate from Practice Better?
Most coaches leave Practice Better because it is built around clinical practice management, and the coaching-specific features they want sit on its higher plans or do not exist. The platform is designed for wellness and nutrition practitioners: scheduling, telehealth video, charting, billing, programs and a client portal, with add-ons such as ePrescribe, PDMP and fax.
Here is what the pricing page and our product profile show, as listed in October 2026:
- Client caps on lower plans. The free Sprout plan allows 3 clients, Starter allows 10, Professional allows 300. Unlimited clients start on Plus.
- Coaching features gated to Plus. Evergreen (self-paced) programs, portal branding, a personalized URL and included SMS start on Plus at $99 a month ($89 a month billed annually).
- One practitioner per account below Team. Adding colleagues means moving to Team at $155 a month for 2 practitioners, with extra practitioners at $50 each.
- No website or funnel pages. Our September 2026 profile found no website builder or funnel pages, so most coaches pay for a separate site and email tool.
- Clinical add-ons coaches rarely need. AI Charting Assistant ($10, $20 or $40 per practitioner per month), ePrescribe ($49 a month plus $99 onboarding per prescriber), PDMP and fax are useful for clinicians and irrelevant to most coaches.
Public reviewers are mixed rather than negative: Practice Better showed a Trustpilot score of 3.8 from 87 reviews when we checked on October 25, 2026. If you are a dietitian or other licensed clinician who needs charting and prescribing, Practice Better may still be the right home, and our guide to Practice Better as an EHR explains that side. If you run programs, groups and courses and want one place for your website, payments and delivery, a move usually pays off. Our Practice Better alternatives roundup compares the options.

What can you export from Practice Better?
Practice Better documents two self-serve exports, a per-client archive and a contact spreadsheet, plus a bulk export of all client data on request through support. Plan your migration around those three routes, because anything outside them (program structures, templates, message threads) has to be rebuilt or copied by hand.
The per-client archive
Practice Better's help center article "Exporting Client Records From Practice Better" explains that you can create an archive for an individual client from the options next to their name. The archive covers that client's personal information, history, session notes, forms and invoices, delivered as a downloadable file. The help center warns that these downloads expire and are then purged, with no backups kept; our September 2026 profile recorded the window as 48 hours. Download each archive as soon as the email arrives and store it somewhere you control.
The contact spreadsheet
A second help article, "Export Contact Information for Mass Email", describes a spreadsheet of client contact details (first name, last name, email and similar fields). You reach it from My Clients through the quick action button, then choose to export contact information and download. This spreadsheet is the backbone of your import: it is the list that becomes your new client roster.
The bulk export
For every client's records at once, the help center tells practitioners to contact Practice Better support and request a bulk export. Ask early, in writing, and ask what the file will include and how long the download link stays live. If you have more than a handful of clients, this is far less work than creating archives one by one.
What does not come out as a file
We found no documented file export for program structures, protocol templates, form templates or chat history. Treat those as content to copy, screenshot or rebuild. Saved payment cards are a separate question covered in the payments section below: plan as if they stay behind.
If you are leaving a tool that is shutting down rather than one you are choosing to leave, the steps are similar but the deadline is tighter; our guide to migrating from a discontinued coaching CRM covers that case.
How does Practice Better data map to Coachful?
Almost every coaching record in Practice Better has a direct place in Coachful; the clinical items (charting, ePrescribe, fax) do not, and should stay in a clinical system if you need them. Use this map to decide what to import, what to rebuild and what to archive.
| Practice Better item | Where it goes | How it moves |
|---|---|---|
| Coachful | One account: one login for you, one branded app for clients | Clients, programs and content are imported for you during onboarding |
| Client list and contact details | Client records with tags and status (thriving, active, quiet, at risk) | Import from the contact spreadsheet |
| Session notes | Notes on the client record | Copy from the client archive; keep the original archive file |
| Intake forms and questionnaires | Forms and intake questions on booking | Rebuild the template; past answers stay in the archive |
| Fixed-date and evergreen programs | Multi-week programs with weekly goals, daily tasks, habits and check-ins | Rebuilt from your outline (imported for you during onboarding) |
| Group programs | Programs with cohort groups created automatically on enrollment | Rebuild the program; invite the cohort |
| Journals and recurring check-in forms | Morning and evening check-ins, weekly check-ins, habits with streaks | Rebuild as coaching flows |
| Services and packages | Offers, paid sessions, session credits, payment plans | Recreate with the same names and prices |
| Calendar and booking | Booking pages with availability rules, buffers, minimum notice and time-zone detection | Recreate rules; connect Google, Apple/iCloud or Outlook |
| Telehealth video | Built-in video or auto-created Zoom, Meet or Teams links | Choose per session type |
| Practice Better Payments | Your own Stripe Connect or Razorpay account | Connect a processor; recreate subscriptions (see payments section) |
| Invoices and payment history | Invoice per transaction plus manual invoices for new billing | Keep historical invoices from the archive for your records |
| Signed agreements | Coaching agreements with e-signature, stored on the client record | Upload signed PDFs; send new agreements for future terms |
| Documents and handouts | Courses, downloads, videos, books and other resources | Upload files; imported for you during onboarding |
| Meal plans and nutrition targets | Fitness & Nutrition pack: nutrition targets, meal plans, recipes, food lookup | Rebuild plans; clients log in the new app |
| AI Charting Assistant | Michelle summarizes recorded sessions and briefs you before sessions (not clinical charting) | No data to move |
| Charting, ePrescribe, PDMP, fax | No equivalent | Keep in a HIPAA-compliant clinical system if you need them |

What does a Practice Better migration timeline look like?
A solo coach with up to about 50 active clients can usually move in three weeks: one week to export and set up, one week to rebuild and test, one week to switch clients over while both systems run. The timeline below is an example, not a promise; stretch it if you have many subscriptions or group cohorts mid-program.
| Phase | Example timing | What happens |
|---|---|---|
| Coachful | Day 1, runs alongside every phase | Start a free trial, connect Stripe, send the import and build request |
| Export | Days 1 to 3 | Download the contact spreadsheet, request the bulk export, save archives the day they arrive |
| Rebuild | Days 3 to 10 | Programs, offers, booking pages, forms, agreements and check-ins recreated and reviewed |
| Test | Days 10 to 12 | Book a test session, buy your own offer with a real card, refund it, open the client app |
| Announce | Day 12 | Email 1 to all clients: what is changing and when |
| Switch | Days 14 to 21 | Email 2 with invitations; subscribers move as their billing dates come up |
| Close | Day 30 or the next renewal | Final export, cancel Practice Better recurring charges, downgrade or close the account |
How do you migrate from Practice Better step by step?
Work in this order: protect your data first, build the new home second, move people third and cancel last. Each step below has a clear "done when" so you know when to move on.
Step 1: Freeze changes and take inventory
Pick a migration date and stop creating new program templates or packages in Practice Better. List every active client, which package or program they are on, whether they pay on a subscription or payment plan, and their next billing date. That list drives every later step. Done when you have one spreadsheet with a row per active client.
Step 2: Export everything you are allowed to
Download the contact spreadsheet, request the bulk export from support, and create individual archives for anyone whose records you need immediately. Store the files in an encrypted folder. Screenshot program outlines, form templates and any automated sequences, because those do not come out as files. Done when every active client has an archive or is covered by the bulk export.
Step 3: Open Coachful and connect payments
Start your free trial, connect your own Stripe Connect or Razorpay account, and connect your calendar (Google, Apple/iCloud or Outlook). Then send the import and build request through Create > We'll build it for you with your contact spreadsheet, program outlines and handouts attached. Done when Stripe shows as connected and the request is submitted.
Step 4: Rebuild offers, booking and agreements
Recreate each service with the same name and price so clients recognize it. Set availability rules, buffers and minimum notice on each booking page, add intake questions, and choose built-in video or Zoom, Meet or Teams links. Load your coaching agreement so it is sent for e-signature before the first call. Our guide to coaching contracts covers what to include. Done when every Practice Better service has a matching offer or booking page.

Step 5: Rebuild programs and check-ins
Turn each Practice Better program into a multi-week program with weekly goals, daily tasks, habits and morning or evening check-ins. Group programs get a cohort group created automatically when clients enroll. If you used journals or recurring forms, rebuild them as coaching flows. Done when you have walked through week one of each program as a test client.

Step 6: Test like a client
Book a session on your own booking page, buy your cheapest offer with a real card, sign your own agreement, open the client app on your phone and complete a check-in. Then refund the payment. Every surprise you find now is one a client does not find later. Done when a full purchase-to-session loop works without your help.
Step 7: Announce, invite and switch
Send the announcement email (templates below), then the invitations. Move one-time-payment and package clients first, then subscribers as each billing date approaches. Keep your Practice Better account open for anyone mid-package. Done when every active client has logged in to the new app at least once.
Step 8: Close out Practice Better
Run a final export, confirm no recurring charges remain in Practice Better Payments, then downgrade or cancel. Keep the archives for as long as your record-keeping obligations require; if you are licensed, check with your licensing body or an attorney. Done when your last Practice Better invoice is paid and no client card will be charged there again.
If you want the shorter version of this as a printable list, our Practice Better switching checklist condenses it to one page.
What should you tell your clients about the move?
Tell clients three things: what changes, what they need to do and what stays the same, in that order, with one clear date. Send the announcement about a week before invitations go out, and keep each email short enough to read on a phone.
Messages purely about a service clients already use are generally transactional or relationship messages, which the FTC says are exempt from most CAN-SPAM provisions. If you add clients to a marketing list in the new system, the rules for commercial email apply: a valid physical postal address, a clear way to opt out, and opt-outs honored within 10 business days, according to the FTC's CAN-SPAM compliance guide.

How do payments and subscriptions move between platforms?
They do not move automatically. A subscription lives inside the payment account it was created in, so recurring charges set up through Practice Better Payments keep running there until you cancel them, and a new subscription has to be created in the payment account connected to your new platform. Each client re-enters their card once.
Practice Better processes client payments through Practice Better Payments, its own service powered by Stripe, as listed in October 2026. Coachful works differently: payments run through your own Stripe Connect or Razorpay account, so you own the processor relationship and the customer list in it. That difference is exactly why nothing carries over on its own: the cards and subscriptions sit in one account, and your new billing runs in another.
Do not assume saved cards can be transferred. Ask Practice Better support in writing whether any customer payment data can be moved to your own Stripe account, and plan as if the answer is no. Then follow this sequence for each recurring client:
- Recreate the offer with the same price and billing period (subscription or payment plan) in your new account.
- Send Email 3 with a checkout link at least three days before the client's next Practice Better billing date.
- Keep the rhythm by sending the link close to the old billing date, so the client's payment day barely shifts.
- Cancel the old subscription in Practice Better the same day the new checkout succeeds, not before.
- Check the next billing date in both systems: one should show a charge, the other should show nothing.
Payment plans with only one or two installments left are often easier to finish in Practice Better; move only the clients with several payments to go. One-time packages and session credits need no card at all: record the remaining sessions on the new client record and let the client book against them.
Taxes and invoices: Coachful issues an invoice per transaction and supports manual invoices and Stripe Tax. Keep your historical Practice Better invoices from the archives for your records, and check with an accountant if you change how you charge sales tax or VAT during the move. More detail is on our coaching payment software page.

What does it cost to run both platforms during the switch?
Expect to pay for both tools for one billing cycle, usually one month, so the overlap cost is roughly one month of your Practice Better plan. Moving on a monthly Practice Better plan, or timing the move to an annual renewal, keeps that overlap short.
| Plan | Monthly price (October 2026) | Clients | Notes for a migration |
|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Lower plans cap clients; Pro is unlimited (Pro: $99/month with unlimited clients) | Flat monthly plans, a free trial, one-click cancellation on monthly plans, free white-glove import and build, 0% platform fee |
| Practice Better Sprout | $0 | 3 | Free plan for students and new practitioners; 100 MB storage |
| Practice Better Starter | $35 ($25 billed annually) | 10 | Scheduling, telehealth, billing, client portal, forms |
| Practice Better Professional | $69 ($59 billed annually) | 300 | Group scheduling, fixed-date programs, deposits and payment plans, Zapier |
| Practice Better Plus | $99 ($89 billed annually) | Unlimited | Evergreen programs, portal branding, personalized URL, 750 SMS a month |
| Practice Better Team | $155 ($145 billed annually) | Unlimited, 2 practitioners | Extra practitioners $50 a month each; roles, team scheduling, 2,000 SMS a month |
Two details from the pricing page: the Professional card says "Save $84/year", which implies about $62 a month on annual billing, while the table shows $59, so confirm the figure at checkout. And Practice Better's free trial is 30 days on Team and 14 days on other paid plans, with no contracts. Our Practice Better pricing breakdown adds up the add-ons.
For a like-for-like comparison, add what you pay for a separate website, email tool and course host alongside Practice Better, because those move into one membership after the switch. Current Coachful plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.
What is on the cutover checklist?
The cutover is the day clients stop using Practice Better and start using the new app. Run through this checklist in the days before it, and do not cancel anything until every row is done.
| Task | When | Done when |
|---|---|---|
| Coachful account ready | Before announcing | Stripe connected, calendar synced, offers and programs reviewed, import checked against your client list |
| Contact spreadsheet downloaded | Day 1 | File saved in two places |
| Bulk export requested and saved | Days 1 to 5 | Every active client's archive is on your drive |
| Program and form templates captured | Days 1 to 3 | Screenshots or copied text for each one |
| Booking pages live | Before invitations | Test booking received, reminders arrive, video link works |
| Agreement loaded | Before invitations | Test signature appears on the client record |
| Test purchase and refund | Before invitations | Charge and refund both visible in Stripe |
| Announcement sent | About 7 days before switch | Email 1 delivered to all active clients |
| Invitations sent | Switch day | Every active client has logged in once |
| Subscribers moved | Before each billing date | New subscription active, old one cancelled, no double charge |
| Old links replaced | Switch day | Website, email signature, social bios and link-in-bio point to new booking pages |
| Final export and cancel | After the last client moves | Practice Better downgraded or closed; archives retained |
The "old links" row is the one most coaches forget. Search your sent emails, PDF handouts and automated sequences for your Practice Better booking URL. Our coaching automation workflow guide shows how to map every touchpoint from enquiry to offboarding, which doubles as a list of links to update.
What does Coachful include, and what does it not do?
Coachful is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your clients. It is built for coaches who deliver programs rather than only sessions, solo coaches growing into a small team, and coaches replacing four to six tools. The company is based in Tallinn, Estonia.

For a coach coming from Practice Better, the parts that matter most are:
- Program delivery between sessions: multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks.
- Client records: goals, check-ins, habits, notes, intake answers, tags, payments and sessions in one place, with an AI briefing per client and a status of thriving, active, quiet or at risk.
- Booking: two-way Google, Apple/iCloud and Outlook sync, email reminders plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled, paid sessions and session credits.
- Payments: one-time, subscriptions, payment plans, coupons, refunds, Apple Pay and Google Pay through your own Stripe Connect or Razorpay account, with a 0% Coachful platform fee since August 2026.
- Nutrition and fitness: the Fitness & Nutrition pack adds nutrition targets up to calories and macros, meal plans, recipes, food lookup and barcode scanning, progress photos and measurements, and a workout builder.
- Website, funnels and email: a section-based website builder with 30 designed homepage templates, booking and checkout funnels, and email sequences, which replaces the separate site most Practice Better users run.
- ICF hours: credential tracking counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports a client coaching log.
What it does not do: Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. It has no PayPal, no permanent free plan, no Garmin, Fitbit, Whoop or Oura sync, and no stock exercise videos. The client app ships under the Coachful listing with your branding, not under your own App Store account. If you want to leave later, you can export full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions and form responses) and export courses.
How to start: open a free trial, then request the free white-glove import and build described below. Health and nutrition coaches can see the niche setup on our page for health coaches, and the Coachful vs Practice Better comparison lays the two side by side.
Here is a walkthrough of how a new account is set up:
How does the free white-glove import and build work?
When you join Coachful, the team imports your clients, programs and content for you during onboarding, and builds what you ask for inside your own account. You describe the job, attach your files, and review the result instead of rebuilding Practice Better by hand.
Why Coachful stands out: a free white-glove service. From Create > We'll build it for you · FREE, or the "Want us to build it for you?" card on the Website, Funnels and Programs pages, you can request a website, funnel, offer or sales page, program, course (outline and written material), coaching flow, form or worksheet, email sequence, link in bio, lead quiz, event or automation. You can attach up to 8 reference links and up to 10 files, such as your Practice Better contact spreadsheet, program outlines, handouts, logo and brand guide (no video files). The team builds it in your account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and any gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing.

For a migration, a useful request looks like this: "Import the attached client list. Rebuild my 12-week gut health program from the attached outline with weekly goals, a morning check-in and a daily water habit. Recreate my three services at the prices in the attached sheet, and build a booking page for a free 20-minute discovery call." Recent builds the team has described include a five-page site in sage and cream for a menopause and midlife health coach starting from nothing, with every button leading to a free 20-minute consultation, and a homepage and About page rebuilt for a somatic coach leaving Kajabi, with the contact form connected. More examples are in our white-glove service guide.

Signed agreements from Practice Better can be uploaded as PDFs to the client record, so a client's history stays in one place even when the original was signed elsewhere.

Do you still need a clinical system after you leave Practice Better?
If you are a licensed clinician who keeps protected health information, yes: keep clinical records in a HIPAA-compliant system and use a coaching platform only for coaching work. Coaching is not treatment, and Coachful is not HIPAA-certified.
Many Practice Better users are dietitians, nutritionists and functional health practitioners whose work sits on both sides of that line. A clear way to split it: diagnosis, medical nutrition therapy, prescriptions and anything billed to insurance stay in your clinical record system; habit coaching, accountability, education and group programs can live in a coaching platform. When a coaching client describes symptoms, a diagnosed condition, disordered eating or a medication question, refer them to a licensed provider rather than coaching around it. If you are unsure which side a service falls on in your state or country, check with your licensing body or an attorney before you move it.
If you are transitioning from clinical work to coaching, our guide on moving from therapist to life coach covers scope, offers and how to separate the two practices. Nutrition-focused readers can compare options in our Practice Better alternatives for nutrition coaches.
What usually goes wrong in a Practice Better migration?
The common failures are timing failures: archives that expire before they are saved, subscriptions cancelled before the new one is live, and old booking links still circulating after the switch. All three are avoidable with the checklist above.
- Expired archives. Practice Better purges export downloads after a short window. Save each file the moment it arrives.
- Double charges or gaps. Cancelling the old subscription first leaves a gap; cancelling it late causes a double charge. Cancel on the day the new checkout succeeds.
- Mid-program cohorts. Moving a group halfway through a fixed-date program confuses people. Let the current cohort finish in Practice Better and start the next cohort in the new app.
- Lost context. Session notes that stay only in an archive file are easy to forget. Copy the last two or three notes for each active client onto their new record.
- Old links. Your Practice Better booking URL sits in places you have forgotten. Search for it before switch day.
- Too many changes at once. Keep prices, package names and session lengths the same during the move. Change your offer after clients have settled in.
Frequently asked questions
How long does it take to migrate from Practice Better?
For a solo coach with up to about 50 active clients, two to four weeks is a realistic example, including one billing cycle where both systems run. The export and rebuild take about a week each; most of the remaining time is waiting for subscribers to reach their billing dates. Larger practices with many cohorts or practitioners should allow longer.
Can I export all my clients from Practice Better at once?
Yes, by request. Practice Better's help center says to contact support for a bulk export of all client data, while individual client archives and a contact spreadsheet are self-serve. Ask what the bulk file includes and how long the download stays available.
Will my clients' saved cards move to my new platform?
Plan as if they will not. Subscriptions and saved cards live in the payment account they were created in, so each recurring client re-enters their card once through a new checkout link. Ask Practice Better support in writing whether any payment data can be transferred before you rely on it.
Do my programs and form templates export?
We found no documented file export for program structures or form templates. Screenshot or copy them before you cancel, then rebuild them, or attach the outlines to a Coachful white-glove request and have them rebuilt for you.
What is Coachful's free white-glove service?
It is a build service included on every plan: you describe what you want (a website, program, funnel, email sequence, form and more), attach up to 8 links and 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. During onboarding, clients, programs and content are imported for you. It does not include recording videos, logo design, ad management or ongoing marketing.
Is Coachful HIPAA-compliant like a clinical EHR?
No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. Licensed clinicians who handle protected health information should keep those records in a HIPAA-compliant system and use Coachful for coaching work only.
Should I cancel Practice Better before or after moving clients?
After. Keep Practice Better running until every active client has logged in to the new app and every subscription has been recreated, then run a final export and cancel. Downgrading rather than closing for a month gives you a safety net if you missed something.
Do I need to tell clients about the new platform in writing?
Yes, and in writing is better than a mention in session, because clients need the dates and links in front of them. Use a short announcement, an invitation on switch day, a separate payment email for subscribers and a final reminder. The four templates above are ready to paste.
Can I bring my nutrition clients' meal plans across?
Meal plans are rebuilt rather than imported as files. Coachful's Fitness & Nutrition pack includes nutrition targets up to calories and macros, meal plans, recipes, food lookup and barcode scanning, so you can recreate each plan and clients log against it in the new app.
What if I want to leave Coachful later?
You can export full client data as a ZIP, covering your roster, notes, check-ins, goals, habits, sessions and form responses, and export your courses. Monthly plans cancel in one click, and payment data stays in your own Stripe or Razorpay account because Coachful connects to your own account rather than holding the payments itself.
