Best CRM Canada in 2026 (7 Compared)

The best CRM in Canada depends on what you sell. If you sell your time and expertise (coaching, consulting, training, therapy-adjacent wellness work, bookkeeping, design), the question is not "which tool stores the most contacts" but "which tool takes a Canadian client from first inquiry to paid, signed and delivered work, with GST/HST on the invoice and their personal information handled the way PIPEDA expects". That is the test we used for this best crm canada guide, and it rules out a lot of software built for sales teams with a 40-step deal pipeline.
Our pick is Coachful, because it keeps leads, booking, payments, signed agreements and the actual client work (programs, check-ins, courses, community) behind one login, with one branded app for clients. We make Coachful, so weigh our ranking with that in mind; every other entry below is described from what the vendor documents publicly and what public reviewers report, with prices as listed in October 2026. All seven vendors list prices in US dollars only, so your card statement will show a converted amount in CAD.
If you are earlier in the process, our guide on how to start a coaching business in Canada covers registration and tax, and the wider best coaching software in Canada roundup compares ten platforms beyond CRM.
What does a Canadian coach or service business need from a CRM?
A Canadian service business needs a CRM that tracks leads, books calls across time zones, invoices with the right sales tax, gets agreements signed, and stores client information responsibly. For coaches and consultants, it also needs to deliver the work between sessions, because that is where most of the client relationship happens.
Six time zones and one booking page
Canada spans Newfoundland time to Pacific time, a four and a half hour gap. A coach in Halifax with clients in Vancouver needs a booking page that detects the visitor's time zone and shows slots in local time, plus reminders that do not say "10 a.m." to someone for whom it is 6 a.m. Two-way calendar sync matters too, because a session booked in one tool and a dentist appointment in another is how double bookings happen.
GST/HST on invoices, once you cross the line
According to the CRA's GST/HST pages on canada.ca, you can stay a small supplier and skip registration while your taxable revenue stays at or below $30,000 over four consecutive calendar quarters (or in a single quarter). Once you pass it, you must register, charge the rate that applies to where your client is (5% GST in some provinces, HST in others, GST plus a provincial tax elsewhere) and show it on invoices. Your CRM's invoicing or payment processor therefore needs to handle tax lines by province, or at least let you add them cleanly. Rules have exceptions, so check with an accountant about your situation.
Privacy: PIPEDA, plus Quebec, Alberta and B.C.
Private-sector businesses that collect personal information in the course of commercial activity are generally covered by the Personal Information Protection and Electronic Documents Act (PIPEDA), which the Office of the Privacy Commissioner of Canada explains on priv.gc.ca. Quebec, Alberta and British Columbia have their own private-sector privacy laws for activity inside those provinces. In practice, that means getting consent for what you collect, collecting only what you need, keeping it safe, and being able to hand a client their data or delete it. Coaching notes are personal information, so the CRM that holds them is part of your privacy duty. Most of the tools below store data outside Canada, which PIPEDA does not forbid, but you remain accountable and should tell clients in your privacy policy. Quebec's rules on sending personal information outside the province are stricter, so Quebec-based businesses should get advice.
French-speaking clients
If you coach in Quebec or serve francophone clients elsewhere, your website, intake forms, agreements and emails need to read well in French. Quebec's Charter of the French Language also sets rules for commercial documents and contracts with Quebec customers. None of the tools below advertise a full French interface for clients in the materials we reviewed, so the practical test is whether you can write every client-facing page, form and email yourself, in French, without English leftovers.
Email consent under CASL
Canada's Anti-Spam Legislation (CASL) requires consent before you send commercial email, plus clear identification and an unsubscribe link. A CRM with built-in email marketing should let you record how each contact opted in.
Delivery, not just sales
This is where coaches differ from a plumbing company or a marketing agency. A plumber closes a job and leaves. A coach closes a sale and then spends twelve weeks delivering: weekly goals, daily habits, check-ins, worksheets, a group call, maybe a course. A sales CRM stops at "won". A coaching CRM has to keep going, or you end up paying for a second and third tool to do the work you were hired for. Our parent guide to the best CRM for coaches goes deeper on that lead-to-client gap.

Which CRM is best in Canada? The 7 at a glance
Ranking criteria, in one line: one login for the whole client journey, delivery between sessions, total monthly stack cost for a Canadian solo or small-team practice, and setup effort, where a free build service counts in a tool's favour.
| Rank and tool | Best for | Starting price (USD, as listed) | Client delivery between sessions |
|---|---|---|---|
| Coachful | Coaches, consultants and trainers who sell programs and want leads, booking, payments and delivery in one place | Lite: $29/month for up to 5 clients | Yes: programs, habits, check-ins, courses, community, branded client app |
| 2. HoneyBook | Service businesses that live on proposals, contracts and invoices | $29/mo billed annually (Starter) | No |
| 3. HubSpot | Businesses that want a free contact database and plan to add a sales team | $0 (Free tools, 2 users, 1,000 contacts) | No |
| 4. Paperbell | Solo coaches who want simple packages, booking and payments | $97/mo ($80.83/mo annual) | Limited: client portal, no habits or courses |
| 5. Practice Better | Nutrition and wellness practitioners who need charting | $0 (Sprout, 3 clients) | Yes: programs and client portal |
| 6. Dubsado | Consultants who want deep workflow automation for forms, contracts and invoices | $35/mo ($27.92/mo annual) | No |
| 7. GoHighLevel | Marketing agencies running many client accounts | $97/mo plus metered usage | Partial: courses and communities, no habit or check-in engine |
How did we choose these seven CRMs?
We started from the tools Canadian coaches and small service businesses actually shortlist, then kept the ones that can run a real client relationship rather than only a contact list. Each tool was scored on the four criteria above, using the vendor's own pricing and feature pages as listed in October 2026 and public review profiles. We did not run hands-on tests for this article; where we say a tool lacks something, it is because the vendor does not document it or says so directly.
Three Canada-specific checks shaped the order. First, can you add GST/HST cleanly to what you charge? Second, can a client get their data out, and can you export everything if you leave, which matters for PIPEDA access requests? Third, can a French-speaking client go from your website to a booked, paid, signed engagement without hitting English-only steps you cannot change? No tool here is perfect on the third point, so we note what each one lets you edit.
We left out enterprise suites built for 50-person sales teams, and we left out tools that only do one job (a standalone scheduler, a standalone invoicing app), because the point of a CRM for a service business is to stop juggling.
1. Coachful: the best CRM in Canada for coaches who deliver programs
Coachful is a coaching platform where the CRM is one part of a single system: leads and intake calls, booking, payments, agreements, client records, program delivery, courses, community, a website with funnels and email, and an AI assistant, all under one subscription. It is built for coaches who deliver programs rather than one-off sessions, for solo coaches growing into a small team, and for anyone replacing four to six separate tools. The company is based in Tallinn, Estonia, and holds a 4.5 rating on Trustpilot from 21 reviews.

From first inquiry to signed client
Leads land in the Prospects page with the form, lead magnet or resource they came from and a stage you can move them through, either as a table or as a board. Booking and application funnels feed that list, and intake questions on the booking page mean you walk into a discovery call already knowing the person's goal. The booking page detects the visitor's time zone, which solves the St. John's to Victoria problem, and it applies your availability rules, buffers and minimum notice. Calendars sync both ways with Google, Apple/iCloud and Outlook. Calls run on built-in video or on auto-created Zoom, Meet or Teams links, with email reminders, and SMS (24 hours before) and WhatsApp (1 hour before) once you enable messaging.
Before the first call, a coaching agreement goes out for e-signature and is stored on the client record, which is useful if a client later asks what they agreed to. You can read more on the coaching contracts page.
Here is a short walkthrough of how leads move through Coachful's prospects view.
Payments, tax and money that stays yours
Payments run through your own Stripe Connect or Razorpay account. You can sell one-time packages, subscriptions and payment plans, add order bumps and coupons, issue refunds, and accept Apple Pay and Google Pay. Stripe Tax is supported, which is the piece a Canadian coach needs once registered for GST/HST, since it can apply tax based on the buyer's location; confirm your Stripe Tax settings with your accountant. Every transaction produces an invoice, and you can raise manual invoices for corporate clients who want a PO-style bill. Since August 2026 Coachful takes a 0% platform fee on sales, so the only deduction is Stripe's or Razorpay's processing.
The part sales CRMs skip: delivery
Once someone pays, they enrol in a multi-week program with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses with modules, drip and completion tracking, downloads, videos and AI tools are delivered into the client's branded home and app. Enrolling in a program can automatically add the client to a cohort group, and the community has a feed, group chat, direct messages and live video events.

On your side, each client record pulls together goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with a status of thriving, active, quiet or at risk. That status is the CRM feature coaches tend to value most, because it tells you who needs a nudge this week before they quietly stop showing up. Michelle, the built-in AI assistant, works from that live data to brief you before a session, summarize recorded sessions, draft emails and build programs. Questions and planning with Michelle are included in your Coachful membership; confirmed builds and changes use AI credits.

Canadian fit, honestly
For privacy, Coachful exports full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses), which makes a PIPEDA access request or a move to another tool straightforward, and it is GDPR-ready. Your website pages, funnels, forms, program content and emails are text you write, so a bilingual coach can publish them in French and English; we have no published detail on translating the app's own menus, so test that during the trial if your clients are francophone only. If you hold or want an ICF credential (common among Canadian coaches, see our life coach certification in Canada guide), Coachful counts your coaching hours and clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log; see ICF hour tracking.
What Coachful does not do
It is not HIPAA-certified and is not meant for clinical record-keeping or insurance billing, so regulated health professionals should keep clinical charts in a clinical system. There is no PayPal and no permanent free plan. The client app runs under the Coachful listing with your branding rather than your own App Store account. There is no multi-stage sales deal board for large teams and no Salesforce or HubSpot integration, so a 20-rep sales floor is not the target user.
Why Coachful stands out: a free white-glove service. From Create, the "We'll build it for you · FREE" card lets you describe what you want built (a website, a funnel, a sales page, a program, a course outline, an email sequence, a lead quiz and more), attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Another, a business mentor for beauty professionals, got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. It does not cover recording videos, logo design or ad management. Details are in our white-glove service guide.

Price: flat monthly plans, where lower plans cap the number of clients, Pro is unlimited and team plans add coach seats (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click, and there is a free trial. See the coaching CRM page for the CRM features in one place.
2. HoneyBook: proposals and invoices for client-based service work
HoneyBook is a client-management CRM for service businesses: proposals, contracts, invoices, a scheduler, automations and a client portal. Consultants tend to look at it for the "proposal, sign, pay" step.

Why Canadian freelancers shortlist it
The appeal is the paperwork flow. A prospect fills a lead form, you send a branded proposal that bundles the scope, the contract and the first invoice, and they sign and pay in one sitting. For a consultant selling a fixed-scope engagement to a Toronto firm, that is a tidy experience. Starter includes unlimited clients and projects but only 2 live lead forms, and the scheduler and automations start on Essentials, so most service businesses land on the middle tier.
Pricing as listed in October 2026 (USD)
- Starter: $29/month billed annually; the monthly price was not shown on the page we read.
- Essentials: $59/month, or $49/month billed annually, up to 2 team members and 10 lead forms.
- Premium: $129/month, or $109/month billed annually, unlimited team members and lead forms.
HoneyBook says it offers a 30-day trial with no card required. Payments run through HoneyBook's own processing, and the pricing page lists conflicting card rates (2.7% + 10¢ in the FAQ, 2.9% + 25¢ in the plan comparison), with ACH at 1.5%. Confirm the Canadian rate and whether your bank account is supported before you rely on it. Prices rose in February 2025, and Trustpilot shows 4.1 from 748 reviews.
Where it falls short for coaches
There is no coaching delivery: no programs, courses, habits, check-ins or community. After a client signs, the work happens somewhere else, so a coach typically adds a course tool and a community app on top. You also cannot bring your own Stripe account, which matters if you already have a processor set up for GST/HST.
Pick it over Coachful if... you sell custom, quoted projects (events, design work, consulting engagements) where the proposal is the product, and you do not deliver multi-week programs.
3. HubSpot: a free contact database that grows into a sales suite
HubSpot is a general-purpose CRM with marketing and sales tools layered on top. Its free tier is the reason many Canadian small businesses try it first.

The free tier, read closely
Free tools cover up to 2 users and 1,000 contacts with no time limit and no card: contacts, companies, deals, tasks, email tracking, live chat, 2,000 email sends a month with HubSpot branding, one branded meetings link and up to 30 branded landing pages. For a solo consultant who mostly needs a tidy address book and a booking link, that is a real offer.
What the paid tiers add, and cost
Starter is listed at $20 per seat per month standard, with a limited-time new-customer promotion bringing it to $10/month billed monthly or $7/month billed annually. It removes HubSpot branding, raises meetings links to 1,000 and allows up to 15 pipelines. Professional is $100 per seat per month ($90 billed annually) with a required one-time onboarding fee not shown on the platform page. HubSpot Payments is available on Starter and up in the US, Canada and the UK at 2.9% per card transaction, with a HubSpot platform fee that is free for the first year and then 0.5% per transaction. Using Stripe inside HubSpot adds a 0.75% HubSpot fee on top of Stripe's rate. Quotes require Professional. Trustpilot shows 1.5 from 1,176 reviews.
The coaching gap
HubSpot is excellent at "who is this person and where are they in the funnel". It has nothing for delivery: no client app, no programs, no habit tracking, no course hosting for clients, no group community. A coach on HubSpot also needs a scheduler with payments, a contract tool, a course platform and a community, and the free tier's 1,000-contact cap fills faster than people expect once a lead magnet takes off.
Pick it over Coachful if... you are building a B2B consultancy with several salespeople who need pipelines, deal stages and reporting, and client delivery happens in meetings rather than in an app.
4. Paperbell: simple admin for solo coaches
Paperbell is an all-in-one admin tool for solo coaches: booking, packages, payments, contracts, a client portal and a simple website, for one flat price.

Paperbell's strength is how little there is to configure. You create a package (say, six sessions over three months), set your availability, attach a contract, and share one link. The client books, signs and pays, and appears in your client list. For a new coach in Winnipeg with five clients and no appetite for funnels, it removes most admin in an afternoon.
The price is a single plan at $97/month, or $80.83/month billed annually, with unlimited clients, sessions, files and packages. Paperbell says there are no additional transaction fees on top of Stripe or PayPal processing, and offers a 30-day money-back guarantee; the trial length is not stated on the pricing page (an earlier help-centre note described seven days with the public site offline). Trustpilot shows 3.5 from 14 reviews.
The limits show up once you want to deliver more than sessions. Paperbell has no courses, no community, and no goal or habit tracking according to its older profile, and there is no native mobile app, only the mobile browser. That means a group program or a 90-day transformation with daily check-ins needs another tool. At $97 USD a month, a Canadian coach with five clients pays the same as one with fifty, which is fine at scale and steep at the start. Our Paperbell alternatives page compares it with similar tools.
Pick it over Coachful if... you only sell 1:1 session packages, never plan to run programs, courses or groups, and want the shortest possible setup.
5. Practice Better: practice management for nutrition and wellness
Practice Better is practice-management software for wellness and nutrition practitioners: scheduling, telehealth, charting, billing, programs and a client portal. It is aimed at practitioners who need clinical-style notes.

Who it suits in Canada
If you are a nutrition professional who writes charting notes and also offers programs, Practice Better covers more of that day than a sales CRM. The free Sprout plan (3 clients, 1 practitioner, 100 MB) lets you try it with real clients. A reminder for health and wellness coaches: coaching is not treatment. If a client describes symptoms, a diagnosis, disordered eating or medication questions, refer them to their physician or a registered professional, and keep clinical records in a system designed for them.
Tiers and caps (USD, October 2026)
- Sprout: $0, 3 clients.
- Starter: $35/month ($25 billed annually), 10 clients.
- Professional: $69/month ($59 billed annually), 300 clients.
- Plus: $99/month ($89 billed annually), unlimited clients, 3 admins.
- Team: $155/month ($145 billed annually), 2 practitioners, more at $50 each.
Trials run 30 days on Team and 14 days on other paid plans. Payments go through Practice Better Payments, powered by Stripe; rates are not listed on the pricing page. Trustpilot shows 3.8 from 87 reviews.
The trade-offs
Evergreen programs, portal branding, a custom URL and SMS only start on Plus at $99/month, so a practitioner who wants the polished experience pays near the top tier anyway. There is no website builder or funnel pages, so a separate site and email tool remain on the bill. Below Team, each account holds one practitioner.
Pick it over Coachful if... you are a nutrition or wellness professional whose work needs charting, telehealth notes and practitioner-style records, and marketing pages are already handled elsewhere.
6. Dubsado: workflow automation for forms, contracts and invoices
Dubsado is a client-workflow CRM: lead forms, contracts, invoices, a scheduler and automated workflows that chain them together. Consultants and virtual assistants like it for the depth of its automation.

The idea is that you design a workflow once (inquiry form, then proposal, then contract, then invoice, then a questionnaire a week before kickoff) and Dubsado runs it for every new client. For a Canadian consultant with a repeatable onboarding, that saves real hours each month, and the optional surcharging feature can pass card costs to the client if you choose.
As listed in October 2026, Starter costs $35/month ($27.92 billed annually) with unlimited clients and projects but only 1 active lead-capture form and no scheduler or automations. Premier costs $55/month ($43.75 billed annually) and adds unlimited forms, the scheduler and the workflows people buy Dubsado for. There is a 21-day trial with full Premier access and no card. Dubsado states no platform fee of its own; processor rates apply. Its Trustpilot profile has a single review, so there is not enough public rating data to go on.
Dubsado itself says it does not include website building and is not an email marketing platform. The mobile app is a companion, with full functionality on desktop. There are no courses, client community, habits or check-ins. Expect to spend time designing the first workflow before it pays off.
Pick it over Coachful if... your service is a consulting or VA engagement with a fixed onboarding sequence, you already have a website and email tool you like, and automation of paperwork matters more than client delivery.
7. GoHighLevel: an agency platform with everything, if you can wire it
GoHighLevel (HighLevel) is an agency-first marketing CRM: funnels, websites, calendars, SMS and email, invoicing, contracts, courses and communities, organized into sub-accounts for each client business.

For a Canadian marketing agency running lead generation for ten local clinics, the sub-account model is the point: one platform, separate accounts per client business. Some coaches use it because the feature list is long. Trustpilot shows a 4.9 rating from 15,250 reviews, the highest volume in this list.
Plans as listed in October 2026: Starter $97/month ($80.83 billed annually) with 3 sub-accounts; Unlimited $297/month ($247.50 billed annually); Agency Pro $497/month ($414.17 billed annually); Enterprise is custom. Every plan includes unlimited users and contacts. SMS, email, phone numbers and AI usage are metered and billed on top, at rates published outside the pricing page, so a Canadian business sending appointment texts should model that usage before committing. The 14-day trial bills automatically at the end unless cancelled. HIPAA is a $297/month add-on.
For coaches, the catch is that there is no habit tracking, no client check-ins and no structured program or task engine; you would simulate them with workflows and forms. There are no built-in video rooms, only Zoom and Google Meet links. For a solo coach, the hours spent configuring those pieces are a real cost on top of the plan.
Pick it over Coachful if... you run an agency serving several client businesses and need separate sub-accounts, or you have a dedicated operations person who enjoys building automations from scratch.
Which features does each CRM include?
Here is how the seven compare on the jobs a Canadian service business actually does each week, based on what each vendor documents.
| Tool | Lead tracking | Booking with time-zone detection | Payments and tax | E-signed agreements | Programs, habits, check-ins | Courses and community | Website and email |
|---|---|---|---|---|---|---|---|
| Coachful | Yes, table and board | Yes, two-way calendar sync | Own Stripe or Razorpay, Stripe Tax, 0% platform fee | Yes | Yes | Yes, both | Yes, both |
| HoneyBook | Yes | Essentials and up | HoneyBook processing only | Yes | No | No | Lead forms only |
| HubSpot | Yes, pipelines | Yes, meetings links | Stripe or HubSpot Payments, platform fees | Quotes on Professional | No | No | Landing pages and email |
| Paperbell | Client list | Yes | Stripe or PayPal | Yes | No | No | Simple website |
| Practice Better | Client list | Yes | Practice Better Payments (Stripe) | Not detailed in our sources | Programs, yes | Programs; no community noted | No website builder |
| Dubsado | Yes | Premier only | Processor of choice, optional surcharge | Yes | No | No | No |
| GoHighLevel | Yes, pipelines | Yes | Provider fees, metered usage on top | Yes | Simulated with workflows | Yes, both | Yes, both |
What will each CRM cost at 5, 15 and 40 clients?
Monthly list prices in USD as of October 2026, on monthly billing where shown, for the cheapest plan that covers that many clients with booking included. Your CAD cost depends on the exchange rate and your card's conversion fee, and GST/HST may apply to the subscription itself.
| Tool | 5 clients | 15 clients | 40 clients | What else you still need |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients | Nothing for the core journey; Stripe processing only |
| HoneyBook | $59 (Essentials, for the scheduler) | $59 | $59 | Course tool, community, website, program delivery |
| HubSpot | $0 (Free, branded) | $0 to $20 per seat | $20 per seat (standard Starter) | Contracts, payments setup, delivery, courses, community |
| Paperbell | $97 | $97 | $97 | Courses, community, habit tracking |
| Practice Better | $35 (Starter) | $69 (Professional) | $69 (Professional) | Website, funnels, email marketing |
| Dubsado | $55 (Premier, for the scheduler) | $55 | $55 | Website, email marketing, delivery |
| GoHighLevel | $97 plus usage | $97 plus usage | $97 plus usage | Time to build programs and check-ins yourself |
The last column is where the real cost hides. As an illustration only: a coach on HoneyBook who adds a course platform, a community app and a website builder could easily pay for four subscriptions, each converted from USD, each with its own login for clients. The headline price matters less than the stack.
How does a Canadian coach set up Coachful, step by step?
Here is a worked example. Picture a bilingual career coach in Ottawa, working with clients in Ontario and Quebec, selling a 12-week career transition program plus single strategy sessions. The numbers below are illustrative, not a recommendation of what to charge.

- Ask for the white-glove build first. From Create, use the "We'll build it for you · FREE" card. Describe a five-page site with English and French versions of the home and program pages, a booking funnel for a free 20-minute discovery call, and a welcome email sequence. Attach your logo, headshots and existing bio. The team builds it in your account, usually within about 24 hours, and leaves gaps where they need your words.
- Connect Stripe and turn on tax. Connect your own Stripe account through Stripe Connect. If you are registered for GST/HST (or will be soon), configure Stripe Tax with your accountant so Ontario clients see HST at 13% and clients in other provinces see the rate that applies to them.
- Set availability in Eastern time. Add availability rules, a 15-minute buffer between calls and 24 hours' minimum notice. The booking page detects each visitor's time zone, so a Calgary client sees Mountain time. Sync your Google, Apple or Outlook calendar both ways.
- Write the agreement in both languages. Upload or write your coaching agreement, with a French version for Quebec clients, and attach it so it goes out for e-signature before the first call. Have a lawyer review the French version.
- Add intake questions to the booking page. Ask only what you need: current role, target role, timeline. Collecting less is easier to protect under PIPEDA, and it keeps the form short.
- Build the 12-week program. Start from one of the 40-plus program templates or ask Michelle to draft it. Add weekly goals (week 3: three informational interviews), daily tasks, a habit such as "30 minutes on applications", and a Friday evening check-in.
- Price the offer. Create a paid offer with a payment plan option, for example three monthly instalments. The figures are yours to set.
- Turn on reminders. Check the email reminders, then enable SMS and WhatsApp once messaging is set up, so clients get a text 24 hours before and a WhatsApp message 1 hour before.
- Update your privacy policy. Say what you collect, why, where it is processed and how a client can request their data. Coachful's ZIP export covers the access request side.
- Watch client status weekly. Each Monday, open the client list and look for anyone marked quiet or at risk. Message them before the next session.

If you also need a public site beyond the funnel, our best website builder in Canada guide compares options, though most coaches find the built-in site enough.
What mistakes do Canadian businesses make when choosing a CRM?
- Comparing USD sticker prices as if they were CAD. A $97 USD plan is meaningfully more in Canadian dollars once conversion and card fees are added. Convert before you compare.
- Forgetting GST/HST until the invoice is wrong. If you are close to the $30,000 small-supplier threshold, choose a tool whose payments handle tax by province now, rather than migrating mid-year.
- Collecting more personal information than you need. Long intake forms full of health and family details create PIPEDA obligations you may not want. Ask what the coaching needs.
- Treating a sales pipeline as a client system. A deal board tells you who paid. It does not tell you who skipped three check-ins. Coaches need both views.
- Leaving French for later. Retrofitting French onto a site, forms and emails is harder than writing them once. Check that every client-facing step is editable before you commit.
- Ignoring metered usage. SMS and email usage charges on agency platforms can exceed the plan price for a busy practice. Model a month of reminders before signing up.
- Not testing the export. Before you put real clients in, export a test record. If you cannot get data out cleanly, you cannot answer an access request or leave.
- Health coaches storing clinical records in a coaching tool. Coaching is not treatment. Refer medical concerns to a physician and keep any clinical charting in a clinical system.
Which CRM should you pick in Canada?
Pick Coachful if you are a coach, consultant or trainer whose work continues after the sale: programs, check-ins, courses or groups. It keeps leads, booking with time-zone detection, Stripe payments with Stripe Tax, e-signed agreements and delivery in one login, with a full data export for privacy requests, and the free white-glove build removes most of the setup effort.
Pick HoneyBook or Dubsado if your work is quoted projects and the paperwork is the hard part. Pick HubSpot if you are building a sales team. Pick Paperbell if you only sell session packages. Pick Practice Better if you need charting as a nutrition or wellness professional. Pick GoHighLevel if you run an agency. For coach-specific variations, see our guides to the best CRM for life coaches, executive coaches and financial coaches, or compare tools directly on our comparison hub.
Frequently asked questions about the best CRM in Canada
What is the best CRM in Canada for small businesses?
For service businesses that deliver ongoing work, such as coaches and consultants, Coachful is our pick because leads, booking, payments, agreements and delivery share one login. For project-based service work, HoneyBook or Dubsado fit better. For a growing sales team, HubSpot is the usual choice.
Do any of these CRMs list prices in Canadian dollars?
None of the seven pricing pages we reviewed in October 2026 showed CAD prices; all list US dollars. Your card issuer converts the charge, often with a foreign transaction fee, so compare totals in CAD.
Do I need to charge GST/HST through my CRM?
Only once you are registered. The CRA's guidance on canada.ca says you can remain a small supplier while taxable revenue stays at or below $30,000 over four consecutive calendar quarters. After that, your invoices need the right tax for each client's province, so your payment tool should support it. Check with an accountant about your case.
Is it legal to store Canadian client data on US or European servers?
PIPEDA does not prohibit processing personal information outside Canada, but you stay accountable for it and should tell clients in your privacy policy. Quebec has stricter rules for transfers outside the province. The Office of the Privacy Commissioner's PIPEDA guidance on priv.gc.ca is the place to start; ask a lawyer if you serve Quebec clients.
Can I run my coaching business in French with these tools?
You can write your own website pages, forms, agreements and emails in French in most of these tools, including Coachful. Interface translation for clients is not documented in the materials we reviewed, so test the full client path in French during a trial.
Is HubSpot's free CRM enough for a coach?
It is enough for storing contacts and sharing one branded booking link. It does not handle contracts, program delivery, habits, courses or community, so most coaches end up adding three or four other tools, and the 1,000-contact cap fills quickly once you run a lead magnet.
What is Coachful's free white-glove service?
It is a build service available on every plan. You describe what you need (website, funnel, program, email sequence and more), attach up to 8 links and 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design or ad management.
Is Coachful suitable for health coaches in Canada?
Yes for coaching: programs, habits, check-ins and, with the Fitness & Nutrition pack, workouts, nutrition targets and meal plans. It is not HIPAA-certified and is not built for clinical records or insurance billing, so regulated health professionals should keep clinical charts in a clinical system and refer medical concerns to a physician.
How do I start with Coachful?
Start a free trial, request the white-glove build from the Create page, and connect your Stripe account. Clients, programs and content can be imported for you during onboarding, so you do not have to re-enter your existing roster.
