Best Invoicing Software for Wellness Coaches: Top 10 Picks

Best Invoicing Software for Wellness Coaches: Top 10 Picks

The best invoicing software for wellness coaches is the one that bills the way wellness coaching is actually sold: as 8 to 12 week programs, monthly memberships and payment plans, not as single invoices for single hours. If your tool can only send a PDF and chase it, you will still be stitching together a scheduler, a contract tool and a client app around it. The real question is how much of the client journey your invoices should be connected to.

Our pick is Coachful, because it handles invoices, payment plans, subscriptions and session credits in the same place your clients book, sign their coaching agreement and work through their habits and check-ins. We make Coachful, so weigh that, and read the nine other picks below: accounting tools like FreshBooks and Wave, client CRMs like HoneyBook and Dubsado, and coaching back offices like Practice Better, Paperbell and CoachAccountable. Each has a clear case where it beats us, and we say so.

Start with the five-question checklist, use the table to find your likely pick, then read the ranked sections. Prices are as listed by each vendor in October 2026.

What do wellness coaches need from invoicing software?

Wellness coaches need invoicing that handles recurring and installment billing for programs, ties payment to a signed agreement, and keeps a clean record for tax time. Everything else is a question of how much of the rest of the practice you want in the same login.

Look at how a typical wellness practice earns. A client books a free discovery call, then buys a 12-week reset, a stress and sleep program, or a monthly accountability membership. Some clients pay in full; many want three monthly payments. Corporate wellness work adds a different pattern: one invoice to an HR or benefits team for a workshop series, often on net-30 terms, with a purchase order number. Then there are add-ons: a single follow-up session, a meal-planning guide, a retreat deposit.

That mix creates four needs that generic freelancer tools often miss:

  • Installments and subscriptions as first-class options. A payment plan should collect itself. If you are manually re-sending invoice two of three, you are doing collections work instead of coaching.
  • Payment tied to access. When a client pays for a program, they should get the program: the weekly content, the habit tracker, the check-ins. When a membership lapses, you should see it without opening a spreadsheet.
  • An agreement before the first session. Wellness coaching sits near health care, so your agreement should state scope clearly. Coaching is not medical treatment, diagnosis or therapy, and a good agreement says when you will refer a client to a doctor, dietitian or mental health professional. The National Board for Health and Wellness Coaching publishes standards on scope worth reading before you write yours.
  • Records you can hand an accountant. The IRS expects you to keep records that support income and expenses (see its recordkeeping guidance). Whatever tool you pick, make sure you can export invoices and payouts. Sales tax on digital products and programs varies by state and country, so check with an accountant before you switch on tax collection.

One more scope point matters for software choice. If you also practise as a licensed clinician and bill insurance or keep clinical records, you need a clinical system with a signed business associate agreement. Coachful is not HIPAA-certified and is not built for insurance billing. For coaching that stays inside coaching scope, a coaching platform is the better fit. Our broader guide to the best software for wellness coaches covers the wider stack, and our general buyer's guide to invoicing software for coaches covers the category across every niche.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

Which five questions should you answer before choosing?

Answer these five questions about your practice before you open a single pricing page. Your answers narrow ten options to two or three.

  1. How do clients buy from you? (a) Pay-per-session, (b) fixed programs with installments, (c) monthly memberships, or (d) a mix of all three.
  2. Do clients need something from you between sessions? Habit tracking, daily or weekly check-ins, lessons, meal plans or a group feed. If yes, your billing should connect to where they do that work.
  3. Who else do you invoice? Only individuals, or also employers and wellness programs that want formal invoices with terms and PO numbers?
  4. Do you keep your own books? If you do full bookkeeping yourself, accounting features (expenses, bank reconciliation, mileage) may matter more than coaching features.
  5. How many active clients will you have in 12 months? Five, fifteen and forty clients produce very different bills on per-client pricing. Plan for where you are heading, not where you are today.

Which tool fits your answers?

Use this table to map your answers to a starting pick, then read that tool's section below.

How we ranked: one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including whether someone will build it for you).

How did we choose and rank these tools?

We started from the jobs a wellness coach does each week: sell a program, collect installments, onboard a client, deliver between sessions, and file taxes. We read each vendor's pricing page and documentation in October 2026 and noted what public reviewers report. We did not run paid accounts for every tool, so where a detail depends on a plan, we cite what the vendor lists.

Tools that only invoice can still rank well if their billing is strong, but they lose ground for anything a wellness client needs between sessions. Coaching back offices that compete head to head with Coachful (Practice Better, Paperbell, CoachAccountable) sit in the middle of the list: each is a credible choice with a narrower scope or a cost curve that bends upward as you grow.

1. Coachful: invoicing inside the whole wellness client journey

A laptop showing Coachful's Offers page with program cards on a bright wellness studio table

Coachful is a coaching platform where invoicing is one part of a single system: booking, payments, coaching agreements, programs with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. You get one login, and your clients get one app branded with your name and colours inside the Coachful app. It is built for coaches who deliver programs rather than standalone sessions, and for coaches replacing four to six separate tools.

What a wellness client goes through when they pay

Say a client finishes a discovery call and buys your 12-week stress and sleep reset. In Coachful you set that up as an offer with a one-time price, a subscription, or a payment plan. Payments run through your own Stripe Connect or Razorpay account, so the money lands in your account and Coachful takes a 0% platform fee (since August 2026); you pay only Stripe or Razorpay processing. Clients can pay with cards, Apple Pay or Google Pay. You can add coupons, order bumps (a recipe guide added at checkout, for example) and issue refunds. Stripe Tax is available if you need to collect sales tax or VAT; ask your accountant whether your programs are taxable where your clients live.

Every transaction produces an invoice automatically, and you can also send manual invoices, which is what corporate wellness work usually needs: a workshop series billed to an HR team, or a one-off speaking fee. The Payments tab lists each invoice with its description, client, type, amount and status, so you can see at a glance which installment of which program is paid.

Here is a short walkthrough of invoices in Coachful:

Agreements, sessions and credits before the first call

Coaching agreements with e-signature go out before the first call and are stored on the client record. For a wellness coach this is where your scope statement lives: what coaching covers, what it does not, and when you will suggest the client see a doctor or therapist. Session credits let you sell a package of follow-ups that clients spend as they book. Booking pages handle availability rules, buffers, minimum notice and time zones, sync both ways with Google, Apple/iCloud and Outlook calendars, and can attach built-in video or create Zoom, Meet or Teams links. Intake questions on the booking form let you ask about goals and any health considerations you need to know about before a session.

Where invoicing connects to the work between sessions

This is the part invoicing-only tools cannot match. Once a client pays, they land in their program: weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. The client record pulls it all together (payments, sessions, check-ins, habits, notes, intake answers, tags) and marks each client as thriving, active, quiet or at risk. A client who has stopped checking in and has an installment due next week shows up before it becomes a refund conversation.

Fitness and nutrition-focused wellness coaches can add the Fitness & Nutrition pack, which covers workouts with an illustrated exercise library, nutrition targets, meal plans and recipes, food lookup and barcode scanning, private progress photos and measurements, and weekly check-ins. Coaches attach their own demo videos; there are no stock exercise videos and no Garmin, Fitbit, Whoop or Oura sync. Courses, a community feed with group chat, and email sequences are included in your Coachful membership, and Michelle, the built-in AI assistant, can draft follow-up emails and brief you on a client before a session using your live practice data. See how payments work in Coachful and the page for health coaches for more.

Limits worth knowing

Coachful is not HIPAA-certified and has no BAA, so it is not for clinical records or insurance billing. It does not support PayPal. There is no permanent free plan, though there is a free trial. Lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click, and you can export all client data as a ZIP.

Why Coachful stands out: a free white-glove service. From Create, the "We'll build it for you" option lets you describe what you want built, such as your website, a discovery-call funnel, a program, an offer page or an email sequence, and attach up to 8 reference links and up to 10 files. The Coachful team builds it inside your account, usually within about 24 hours, without inventing credentials, testimonials or prices. One menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. It does not include recording videos, logo design or ad management. Your clients, programs and content are also imported for you during onboarding. Read more about the white-glove build service.

Pick something else over Coachful if you need HIPAA compliance, insurance billing or PayPal, or if all you want is to send a handful of invoices a month with no client delivery attached.

2. HoneyBook: proposal-led billing for one-to-one and corporate work

HoneyBook is a client-management CRM for service businesses, combining proposals, contracts, invoices, a scheduler and a client portal. For a wellness coach who sells mostly through proposals (a corporate wellness workshop, a VIP day, a six-month private package), its invoice and payment flow is polished.

HoneyBook homepage introducing its client management platform for service businesses
HoneyBook's homepage in October 2026.

How HoneyBook bills

HoneyBook is its own payment processor; you cannot bring your own Stripe account. As listed in October 2026, its pricing page shows card fees inconsistently: the FAQ says 2.7% + 10¢, while the plan comparison shows 2.9% + 25¢. ACH is 1.5%, and instant deposit costs 1%. Plans are Starter at $29/month billed annually (monthly price not shown on the page we read), Essentials at $59/month ($49 annually) and Premium at $129/month ($109 annually). Starter includes unlimited clients and projects but only 2 live lead forms, and the scheduler and automations start on Essentials. A 30-day free trial with no card is listed. Prices rose in February 2025.

Where it falls short for wellness coaches

There is no coaching delivery: no programs, courses, habits, check-ins or community. A wellness client pays through HoneyBook, then you send them somewhere else to do the work. HoneyBook held 4.1 on Trustpilot from 748 reviews as seen in October 2026.

Pick it over Coachful if most of your revenue is proposal-based one-to-one or corporate work, you never deliver programs between sessions, and you want HoneyBook's proposal-to-contract-to-invoice flow.

3. Dubsado: workflow automation around every invoice

Dubsado suits wellness coaches who like detailed control over the admin around each client: a questionnaire, then a contract, then an invoice, then reminders, all triggered by workflow rules.

Dubsado homepage introducing its client workflow and invoicing software
Dubsado's homepage in October 2026.

Plans and payment terms

As listed in October 2026, Starter is $35/month ($27.92 annually) with unlimited clients and projects but only one active lead-capture form, and Premier is $55/month ($43.75 annually) with unlimited lead forms. The Starter plan does not include the scheduler or automated workflows, which are the main reasons people choose Dubsado, so most coaches will need Premier. Dubsado lists no platform fee of its own; your processor's rates apply, and optional surcharging lets you pass card costs to the client (check local rules before you do). A 21-day trial with full Premier access and no card is offered.

What a wellness client will not get

Dubsado says it does not build websites and is not an email marketing platform. It has no courses, client community, habits or check-ins, and its mobile app is a companion; full functionality needs the desktop web app. So the client pays and signs in Dubsado, and the coaching happens elsewhere.

Pick it over Coachful if you want granular, rules-based workflows for intake and billing, and you are happy to run program delivery, email and your website in other tools.

4. FreshBooks: accounting first, invoicing done well

FreshBooks is accounting software with strong invoicing, a good match for a wellness coach who does their own books and wants invoices, expenses and tax reports in one place.

Client limits on each tier

Its pricing page, read in October 2026, lists Lite at $23/month for 5 billable clients, Plus at $43/month for 50 clients, Premium at $70/month for unlimited clients, and a custom Select plan. An introductory discount of 80% off for four months was running when we checked, and a 30-day trial is offered. Extra team members cost $11/month each, and Advanced Payments is a $20/month add-on below Select. FreshBooks Payments lists 2.9% + $0.30 per card transaction and 1% for ACH bank transfers. Clients can also pay with Apple Pay, Google Pay and buy-now-pay-later options.

The plan comparison lists automated recurring invoices, late payment reminders, deposits, client retainers, e-signatures on estimates and a client account portal, along with expenses, bank reconciliation and accountant access. For a coach billing a monthly membership, recurring invoices cover the basics.

The trade-off

FreshBooks has no booking pages built for coaching, no programs, habits or check-ins, and nothing for your client to do between sessions. The 5-client cap on Lite also arrives fast in a wellness practice with short programs.

Pick it over Coachful if full double-entry bookkeeping, expense tracking and bank reconciliation matter more to you than client delivery, or you pair it with a coaching platform for everything else.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

5. Practice Better: billing for clinical wellness practices

Practice Better is practice management software for wellness and nutrition practitioners, with scheduling, telehealth, charting, billing, programs and a client portal. If your wellness work leans clinical, such as a registered dietitian who also coaches, it covers needs that Coachful deliberately does not.

Practice Better homepage introducing its practice management platform for wellness practitioners
Practice Better's homepage in October 2026.

Tiers capped by client count

As listed in October 2026: Sprout is $0 for 3 clients and 100 MB; Starter is $35/month ($25 annually) for 10 clients; Professional is $69/month ($59 annually) for 300 clients; Plus is $99/month ($89 annually) for unlimited clients and 3 admins; Team is $155/month ($145 annually) for 2 practitioners, with more at $50 each. Payments run through Practice Better Payments, powered by Stripe; rates are not listed on the pricing page. Trials are 30 days on Team and 14 days on other paid plans.

Where wellness coaches feel the limits

Evergreen programs, portal branding, a custom URL and SMS start on Plus at $99/month. There is no website builder or funnel pages, according to its earlier documentation, and below Team there is one practitioner per account. If you want to sell programs from your own site, you will need another tool for that. We compare more options in our Practice Better alternatives for wellness coaches.

Pick it over Coachful if you need charting, telehealth and a clinical workflow, or you are a licensed practitioner whose records belong in a clinical system.

6. Paperbell: one flat price for solo session packages

Paperbell is all-in-one admin for solo coaches: booking, packages, payments, contracts, a client portal and a simple website, for one price.

Paperbell homepage introducing its all-in-one admin software for solo coaches
Paperbell's homepage in October 2026.

The single-plan model

Paperbell lists one plan at $97/month ($80.83 billed annually) with unlimited clients, sessions, files, packages and traffic, plus a 30-day money-back guarantee. It states "no additional transaction fees"; Stripe or PayPal processing fees apply. For a wellness coach selling a 6-session package with a contract, Paperbell keeps billing simple, and it does accept PayPal, which Coachful does not.

What is missing for program-based wellness work

According to its earlier documentation, Paperbell has no courses, community, or goal and habit tracking, and no native mobile app, only the mobile browser. That matters if your program depends on daily habits or weekly check-ins. Its Trustpilot score was 3.5 from 14 reviews in October 2026. See our Paperbell alternatives for wellness coaches for more.

Pick it over Coachful if you sell session packages only, need PayPal, and prefer one flat price with no client limit even though it costs more at small client counts.

7. CoachAccountable: per-client billing with action plans

CoachAccountable is a coaching back office covering sessions, action plans, metrics, worksheets, courses, invoicing and agreements. Many coaches like its depth for accountability work, and its Trustpilot score was 4.8 from 47 reviews in October 2026.

CoachAccountable homepage
CoachAccountable's homepage in October 2026.

Why the bill climbs with your roster

Pricing is per active client. As listed in October 2026: $20/month for 2 clients, $40 for 5, $70 for 10, $120 for 20, $250 for 50 and $400 for 100. A 30-day trial with no card is offered. That works for a small one-to-one roster, but group programs push costs up quickly: a 30-person group reset counts as 30 active clients.

CoachAccountable pricing page with tiers by active client count

Gaps to plan around

According to earlier documentation, there is no native mobile app, and no landing pages, website or marketing automation. Processor fees apply through Stripe, Square or PayPal. CoachAccountable has also stated it is not HIPAA compliant. Our CoachAccountable alternatives page covers the switch.

Pick it over Coachful if you coach a small number of one-to-one clients, want detailed metrics and action plans, and will not grow into group programs.

8. Square Invoices: a fit for studio and in-person wellness work

Square makes sense if your wellness business includes in-person classes, a small studio or retreats where you also take card payments face to face. Invoicing is included in every Square plan.

Square's fees, read from its pricing page

As listed on Square's invoices pricing page in October 2026, Square Free has no monthly fee and charges 3.3% + 30¢ for online and invoice card payments. Square Plus is $49/month per location and Square Premium is $149/month per location, both at 2.9% + 30¢ online. ACH bank transfers on invoices cost 1% with a $1 minimum, capped at $10 on Plus and Premium. In-person tap, dip or swipe ranges from 2.6% + 15¢ down to 2.4% + 15¢ depending on plan. Plus and Premium each offer a 30-day free trial.

What Square does not cover

Square is a payments and point-of-sale business. It gives you recurring invoices and estimates, but nothing for coaching delivery: no programs, check-ins, habits or client app for your coaching work.

Pick it over Coachful if most of your income is in person, you already use Square hardware, and invoices are an occasional extra.

9. Bonsai: freelancer tooling with per-user pricing

Bonsai is business management for freelancers and agencies: proposals, contracts, invoices, time tracking and projects. A wellness coach who also does consulting or content work billed by the hour may find the time tracking useful.

Bonsai homepage introducing its business management software for freelancers
Bonsai's homepage in October 2026.

Which plan includes invoicing

Every plan is priced per user. As listed in October 2026: Basic is $15/month ($9 annually) but has no invoicing or payments; Essentials is $25/month ($19 annually); Premium is $39/month ($29 annually); Elite is $59/month ($49 annually) with a 3-user minimum. A 7-day trial is offered. Payment fees are linked out to the help center; Bonsai's earlier help documentation listed 2.9% + $0.30 for cards and a 1% platform fee when using your own Stripe or PayPal where Bonsai Payments is available. We could not re-read that help article in October 2026, so confirm current fees with Bonsai.

Wellness-specific gaps

No courses, community, client habits, check-ins or coaching programs, and a custom domain was still marked "expected in 2026" on its site. Trustpilot showed 4.3 from 641 reviews in October 2026.

Pick it over Coachful if your work is project-based consulting with time tracking, and coaching is a small part of what you bill.

10. Wave: the lowest-cost route to a basic invoice

Wave is small-business accounting with free invoicing, a reasonable start for a new wellness coach with a few clients and no budget.

What you pay

As listed on Wave's pricing page in October 2026, Starter is $0 with unlimited estimates, invoices and bookkeeping records; online card payments cost 2.9% + $0.60 (3.4% + $0.60 for Amex). Pro is $19/month or $190/year, with a lower per-transaction rate (2.9% + $0 on cards for the first 10 transactions each month), automated late payment reminders and other extras. Receipt scanning, payroll and bookkeeping help are paid add-ons.

Why it ranks last here

Wave invoices and does books. It has no booking, contracts, payment plans tied to programs, or client delivery, so it covers one small slice of a wellness practice.

Pick it over Coachful if you have a handful of clients, need the cheapest possible way to send invoices and track income, and are happy to run everything else by hand.

What does each tool cost at 5, 15 and 40 clients?

Monthly list prices as published in October 2026, choosing the cheapest plan that includes invoicing and fits the client count. Processing fees are extra everywhere. Where annual billing is the only price shown, we note it.

Tool5 clients15 clients40 clients
CoachfulLite: $29/month for up to 5 clientsSolo: $49/month for up to 20 clientsPro: $99/month with unlimited clients

Bonsai$25 (Essentials, 1 user)$25$25
Wave$0 (Starter)$0 or $19 (Pro)$19 (Pro)

The sticker price is only half the comparison. HoneyBook, Dubsado, FreshBooks, Square, Bonsai and Wave cover billing only, so a wellness coach running programs also pays for a scheduler (sometimes), a course or program tool, an email platform and a website. Add those and the invoicing-only options often cost more in total than a platform that includes them. Coachful's monthly plans include booking, programs, courses, community, website, funnels and email in your Coachful membership.

How would a wellness coach set up invoicing in Coachful?

Here is a worked example: a wellness coach launching a 12-week "Reset Your Rhythm" program on sleep, stress and daily movement, sold in full or in three monthly payments, with a corporate workshop on the side.

  1. Connect Stripe. Link your own Stripe Connect account (or Razorpay if you are in India). Payouts go straight to you. If your accountant says you need to collect tax, turn on Stripe Tax.
  2. Write your coaching agreement. State that coaching is not medical care, list what you will refer out (new or worsening symptoms, disordered eating, mental health concerns), and set your cancellation and refund terms. Have a local lawyer review it. Set it to send for e-signature before the first session.
  3. Build the program. Twelve weeks with a weekly goal, daily tasks, a sleep habit and a movement habit, plus a morning check-in on energy and an evening check-in on stress. Start from one of the program templates if you prefer.
  4. Create the offer. Attach the program to an offer with two prices: pay in full, or a three-installment payment plan. Add an order bump for a one-off follow-up session if you like.
  5. Add a booking page. A free discovery call with intake questions about goals and anything you should know before working together, with buffers and minimum notice set.
  6. Publish the funnel. A booking funnel from your website into the discovery call, then a checkout page for the offer. Or ask the white-glove team to build the page for you.
  7. Bill the corporate workshop separately. Send a manual invoice to the HR contact, with the PO number and payment terms in the description.
  8. Watch the client record. Each installment, session and check-in appears on the client's record. If a client turns quiet or at risk before installment two, reach out first.

For the scheduling side in more depth, see our scheduling software guide for wellness coaches, and for program-based billing in general, coaching billing and invoicing software compared.

What red flags and switching costs should you watch for?

The biggest risks are pricing that scales against you, payment processing you cannot move, and data you cannot export. Check these before you commit.

  • Per-client or per-user pricing. CoachAccountable's per-active-client tiers and Bonsai's per-user plans look cheap at the start. Model your 12-month client count, especially if you plan group programs.
  • Locked-in processing. HoneyBook is its own processor, so moving means new payment links for every client on a plan. Tools that use your own Stripe account let saved payment methods stay with you; confirm with each vendor how subscriptions transfer.
  • Key features on higher tiers. HoneyBook's and Dubsado's schedulers and automations, Practice Better's evergreen programs and branding, and Wave's late payment reminders all sit above the entry plan.
  • Conflicting fee figures. HoneyBook's own page listed two different card rates in October 2026. Ask in writing before you sign up.
  • Health data in the wrong system. Intake forms invite health detail. Collect only what you need for coaching, and keep clinical records in a clinical system with a BAA. Coachful is not HIPAA-certified.
  • Export before you need it. Download your invoice history and client list from any tool you leave, and keep copies for as long as your tax authority requires. Coachful exports full client data as a ZIP.

When switching, run old and new systems in parallel for one billing cycle. Let active payment plans finish in the old tool, and start new clients in the new one. In Coachful, clients, programs and content are imported for you during onboarding.

Which is the best invoicing software for wellness coaches?

Coachful is the best invoicing software for wellness coaches who sell programs, payment plans or memberships and deliver work between sessions, because billing, agreements, booking and the client's program live in one system with no platform fee on payments. FreshBooks or Wave suit coaches who mainly need accounting, HoneyBook and Dubsado suit proposal-heavy one-to-one work, Practice Better suits clinical practices, and Paperbell suits solo coaches who need PayPal and sell only session packages.

What Coachful is: a coaching platform for booking, payments, agreements, programs, courses, community, website and email. Who it is for: wellness, health and life coaches who deliver programs, from solo to small teams. What it does not do: HIPAA, insurance billing, PayPal or wearable sync. How to start: begin a free trial, then request a free white-glove build of your website, funnel or program. Not always. A coach with a few one-off clients can manage with a free tool like Wave. Once you sell programs with payment plans or memberships, software that collects installments automatically and ties payment to client access saves hours each month.

Can I bill clients in installments for a wellness program?

Yes, though support varies, so check each vendor's plan details. In Coachful you set a payment plan on the offer, and each installment is collected and invoiced automatically through your own Stripe or Razorpay account.

Is Coachful HIPAA-compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical records or insurance billing. If you are a licensed clinician, keep clinical work in a clinical system such as Practice Better and use coaching software only for coaching.

What is Coachful's free white-glove service?

It is a build service included on every plan. You describe what you need, such as a website, funnel, program or email sequence, attach links and files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include video recording, logo design or ad management.

Does Coachful take a cut of my payments?

No. Coachful has charged a 0% platform fee since August 2026. You pay only Stripe or Razorpay processing fees on each transaction.

Can I invoice an employer for corporate wellness workshops?

Yes. Coachful, HoneyBook, Dubsado, FreshBooks and Square all let you send a manual invoice to a company contact. Add the PO number and payment terms the client asks for. For more on this market, see software for corporate wellness coaches.

Should I charge sales tax on wellness coaching?

It depends on where you and your clients are, and on whether you sell services, digital products or both. Rules vary by state and country, so check with an accountant before you turn on tax collection in any tool.

Which tool is cheapest for a new wellness coach?

Wave Starter and Square Free cost nothing per month, with processing fees per payment. Practice Better's free Sprout plan covers 3 clients. These are fine for invoicing alone, but you will need other tools for booking, agreements and program delivery.

Can clients pay with PayPal?

Not in Coachful, which uses Stripe and Razorpay (including Apple Pay and Google Pay). Paperbell, CoachAccountable and Bonsai list PayPal as an option.

What should a wellness coaching agreement include?

A clear scope statement that coaching is not medical treatment or therapy, when you will refer a client elsewhere, payment terms, refund and cancellation rules, and confidentiality. Laws vary, so have a local lawyer review it. See coaching contracts in Coachful for how agreements are sent and stored.
