12 Best Practice Better Alternatives for Wellness Coaches

12 Best Practice Better Alternatives for Wellness Coaches

The best practice better alternatives for wellness coaches are tools that cover the whole client journey a coach actually runs (getting found, enrolling a client, delivering weeks of habit and lifestyle work, and keeping that client for a second round) without paying for clinical features coaching does not use. Practice Better is built for practitioners who chart, prescribe and fax. If you are a wellness coach who never writes a SOAP note, much of that plan price goes to features you will not open, while the things you do need, like a website, funnels, daily check-ins and a community, are missing or sit on higher tiers.

Our pick is Coachful, because one login covers booking, payments, agreements, multi-week programs with habits and check-ins, courses, community, a website with funnels and email, and a branded client app, and the team will build your site or first program for you at no extra cost. We make Coachful, so weigh that, and read the 11 other options below, each with what it documents, its listed price and a plain "pick it over Coachful if" line. One honest caveat up front: if you need charting, an EHR, insurance billing or a HIPAA business associate agreement, stay on a clinical tool such as Practice Better.

What does a wellness coach's client journey need from software?

A wellness coach needs software for four stages: attract, enroll, deliver and retain. Practice Better is strongest in the middle two for clinicians; coaches tend to feel the gaps at both ends.

Attract. Wellness clients usually arrive through a free resource (a seven-day sleep reset, a gut-friendly meal guide, a stress check quiz) or a free discovery call. That needs a website, a lead-magnet page that captures an email, and a short email sequence that ends in a booking link. Practice Better documents no website builder or funnel pages, so most coaches on it pay separately for a site and an email tool.

Enroll. Here you need a booking page with intake questions, payment for a package or a monthly subscription, and a signed coaching agreement before the first call. For wellness coaching, that agreement should state the scope line clearly: you coach behaviour and habits, you do not diagnose or treat, and the client keeps their doctor in the loop.

Deliver. This is where wellness coaching differs from therapy-style practice. The work happens between sessions: a morning water and movement habit, an evening wind-down check-in, a weekly reflection, a 12-week program that releases one theme a week. Software should show you who is doing the work and who has gone quiet, without you chasing each client by text.

Retain. Clients who finish a 90-day program are the easiest people to re-enroll, if they have somewhere to go next: a maintenance membership, a group, an alumni community, a follow-on course. That needs recurring payments, a community space and email.

Practice Better covers deliver and enroll well for a practitioner, with forms, charting, a client portal and programs. Evergreen self-paced programs, portal branding, a personalized URL and SMS start on the Plus plan at $99 a month as listed in October 2026, and none of the plans include a public website. That gap is the main reason wellness coaches look elsewhere. Our Practice Better pricing breakdown lists every plan and add-on.

Where coaching stops and care begins

Coaching is not medical or psychological treatment. A wellness coach supports behaviour change inside a plan the client's clinicians are comfortable with. Refer out, and pause coaching on the topic, when a client describes chest pain or fainting with exercise, signs of disordered eating, thoughts of self-harm, a new or worsening condition, or questions about medication. The National Board for Health and Wellness Coaching publishes the scope and ethics standards most certified coaches work to. If you bill insurance, keep protected health information as a covered entity under HIPAA, or chart as a licensed clinician, you need a clinical system, and that rules out Coachful, which is not HIPAA-certified. Our guide to Practice Better's EHR explains what that clinical side does.

For reference, here is what each Practice Better plan includes, as listed in October 2026, against the Coachful plan structure:

PlanMonthly priceClient limitWhat a wellness coach notices
CoachfulLite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clientsCapped on lower plans; Pro unlimitedWebsite, funnels, email, programs, habits and community on every plan
Practice Better Sprout$03 clients, 100 MBFor students and new practitioners
Practice Better Starter$35 ($25 annual)10 clients, 1 GBScheduling, telehealth, billing, portal, forms
Practice Better Professional$69 ($59 annual)300 clients, 5 GBGroup messaging, fixed-date programs, payment plans, Zapier
Practice Better Plus$99 ($89 annual)UnlimitedEvergreen programs, portal branding, personalized URL, 750 SMS
Practice Better Team$155 ($145 annual)2 practitioners, +$50 eachRoles, team scheduling, advanced workflows

Add-ons push the total higher: the AI Charting Assistant runs $10 to $40 per practitioner a month, SMS costs 5 cents a text, and Connector Hub is $49 a month on Plus and Team. Practice Better's Trustpilot score was 3.8 from 87 reviews when we checked in October 2026.

Which stage of the client journey does each tool cover?

Only a few of these tools cover all four stages in one account. Most cover enroll and part of deliver, which is where Practice Better already sits.

Ranking criteria, in one line: one login for the whole client journey, between-session delivery (habits, check-ins, programs), total stack cost at realistic client counts, and setup effort, where a free build service counts.

How did we choose and rank these tools?

We started from what wellness coaches leave Practice Better for, then checked each vendor's own pricing page and documentation. We did not run client programs in each tool; we report what vendors document and what public reviewers say, with ratings dated to when we saw them.

  • Whole-journey coverage. Fewer logins means fewer places for a client to drop out, and fewer bills.
  • Between-session delivery. Habits, check-ins and program pacing matter more to wellness outcomes than a nicer calendar.
  • Cost at 5, 15 and 40 clients. Several tools look cheap until the client cap bites.
  • Setup effort. A coach who spends three weekends rebuilding a site has lost three weekends of clients.
  • Clinical honesty. Tools built for practitioners get credit for that, and we say when you should stay clinical.

Direct coaching-admin substitutes sit in the lower half, mostly because they replace Practice Better's admin without filling the attract and retain gaps. Our broader Practice Better alternatives guide and the best software for wellness coaches roundup cover overlapping ground for other audiences.

1. Coachful: the whole wellness client journey under one login

A tablet showing a client's coaching page with a 90-day reset journey in a bright wellness studio
A client's My Coaching page in Coachful, with the 90-day reset journey, on a tablet beside a yoga block.

Coachful is a coaching platform where one subscription covers booking, payments, coaching agreements, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login; the client gets one branded app. It is built for coaches who deliver programs rather than single sessions, including solo coaches growing into a small team, and it suits a wellness coach replacing four to six tools. Coachful is based in Tallinn, Estonia, and holds a 4.5 Trustpilot score from 21 reviews.

How it handles the four stages. To attract, you build a site from 30 designed homepage templates or import your existing one, add a blog with SEO settings on your own domain, and set up booking, application, lead-magnet or checkout funnels with Meta Pixel, GA4 and UTM tracking. Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits follow up on the sleep guide or the stress quiz. To enroll, booking pages handle availability rules, buffers, minimum notice and time zones, with two-way Google, Apple/iCloud and Outlook sync, built-in video or auto-created Zoom, Meet or Teams links, and intake questions on booking. Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, coupons, order bumps, Apple Pay and Google Pay. Coachful takes a 0% platform fee; you pay only Stripe or Razorpay processing. Coaching agreements are signed electronically before the first call and stored on the client record (see coaching contracts).

Delivery between sessions is the core. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. For a wellness coach, that means a client opens the app each morning, logs a short check-in on sleep and energy, ticks a hydration habit, and sees this week's theme, while you see who is thriving, active, quiet or at risk without scrolling through messages.

If your practice leans into movement or food, the Fitness & Nutrition pack adds a workout builder with illustrated exercises, nutrition targets up to calories and macros, meal plans, recipes, food lookup with barcode scanning, private progress photos and measurements, and weekly check-ins. You attach your own demo videos; there are no stock exercise videos, and there is no Garmin, Fitbit, Whoop or Oura sync.

Retention is built in, not bolted on. Enrolling a client in a program can create a cohort group automatically, with a community feed, group chat, direct messages and video events. Courses with modules, drip release and completion tracking sit in the same client home, so a maintenance course or alumni membership is one offer away. Michelle, the built-in AI assistant, works from your live practice data: she briefs you before sessions, summarizes recorded sessions, drafts emails and builds programs. Questions and planning are included in the membership; confirmed builds and changes use AI credits. If you are working toward an ICF credential, Coachful also counts hours and distinct clients against ACC, PCC and MCC thresholds (ICF hour tracking).

Here is how the client journey looks from the coach's side, from first booking through program delivery:

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you · FREE", describe what you need (a website, a lead-magnet funnel, a 12-week program, an email sequence, an intake form), attach up to 8 reference links and up to 10 files such as your logo, photos and existing copy, and the Coachful team builds it inside your account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent build: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream, with every button leading to a free 20-minute consultation. It does not cover recording videos, logo design, ad management or ongoing marketing. More detail in our white-glove service guide.

A website build request filled in for a sample health coach, sent from inside Coachful.

What Coachful does not do. It is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. There is no PayPal and no permanent free plan. The client app runs under the Coachful listing with your branding, not under your own App Store account. Apple Health sync is not publicly available.

Price. Flat monthly plans; lower plans cap clients, Pro is unlimited, and monthly plans cancel in one click (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). The entry plan is Lite: $29/month for up to 5 clients, and there is a free trial. For a side-by-side with your current tool, see Practice Better vs Coachful or the health coach overview.

Pick it over Practice Better if your work is coaching rather than clinical care and you want your website, funnels, delivery and community in one place.

2. AttractWell: marketing-heavy all-in-one with texting

AttractWell is an all-in-one for coaches, course creators, consultants, authors and speakers, and it is the closest match here to Coachful's attract stage. It documents a website and funnel builder with a blog, a CRM, email and text messaging, booking, contracts, invoicing and a store. For a wellness coach running a five-day reset challenge with SMS nudges, the texting allowance is the draw.

AttractWell homepage describing its all-in-one platform for coaches and course creators

Delivery leans on courses, which AttractWell calls "vaults", and on "call packages" that track how many sessions a client has used. There is also a Facebook-style community with scheduled posts, and memberships with recurring payments, which covers the retain stage for an alumni group.

Prices are tied to contacts, and every lead counts. As listed in October 2026: Starter $69 a month (500 contacts, 100 texts, 5 automations, 1 vault and 1 class, Zoom up to 5 people, 2 booking links, no call packages), Basic $99 (1,000 contacts, 1,000 texts, 3 vaults, 5 call packages), Premium $129 (4,000 contacts, unlimited booking links and call packages), Pro $179 and Diamond $239. Team starts at $600 a month for six accounts. Instead of a free trial, the first month costs $1, and AttractWell lists a 0% transaction fee. Trustpilot showed 4.6 from 21 reviews in October 2026.

The limits worth noticing: Starter has no call packages, so a coach selling session bundles realistically starts on Basic. Unlimited vaults and classes cost an extra $17 a month. The feature list is wide, but the program side is course-shaped; we found no documentation of daily habit tracking or morning and evening check-ins of the kind wellness clients use, and no clinical charting.

Pick it over Coachful if SMS marketing to a large list is central to how you sell, and you are happy to deliver through courses rather than habit-led programs.

3. Quenza: worksheets and activities clients actually complete

Quenza serves coaches and therapists alike and keeps a practitioner's feel. It is a client-engagement tool: you build activities, worksheets and multi-step programs (a food-mood diary, a values exercise, a weekly stress scale), send them to clients through its app, and chat between sessions. For wellness coaches who used Practice Better mainly for forms and programs, it is the most familiar daily-delivery experience on this list.

Quenza homepage presenting its client activity and engagement tool for coaches and therapists
Quenza's homepage in October 2026.

What Quenza does not do yet matters more. As listed in October 2026, invoicing and digital products are marked planned, so there is no client payment processing. Its older profile also notes no scheduling or video calls. In practice, that means Quenza is half a stack: you pair it with a booking and payments tool and a website.

Pricing, as listed in October 2026: Spark $25 a month for one professional and 10 clients, Growth $50 for 250 clients, Impact $125 for 400 clients, Collective $160 for up to three professionals and 500 clients, and Beyond on request. Annual billing brings Spark to $20 and Growth to $40 a month. A 30-day free trial needs no card. Trustpilot showed 4.3 from 8 reviews in October 2026, a small sample.

The 250-client Growth plan is generous for the price, which makes Quenza attractive to coaches running large group programs who already handle booking and checkout elsewhere. The catch is that every one of those clients also needs an account in your booking tool, and your site, email and community live somewhere else again.

Pick it over Coachful if you only need a polished worksheet and activity tool, already have booking, payments and a website you like, and want the lowest per-client cost for engagement content.

4. Merkora: a new, sales-light option for solo practitioners

Merkora presents itself as a home for coaches, therapists, consultants and other independent experts, built around one branded public page at yourname.merkora.app. It documents booking with confirmations and reminders, intake forms, a waitlist, and session packages where clients see their remaining balance. Cancellation and no-show policies are enforced by issuing wallet credits instead of cash refunds, which suits wellness coaches tired of chasing late cancellations.

Merkora homepage aimed at coaches, therapists and independent experts
Merkora's homepage in October 2026.

Beyond sessions, it hosts video courses without needing YouTube, sells digital downloads, and captures emails through free lead magnets. Built-in live streaming handles events and group sessions, so a monthly breathwork class can run inside the same account.

Its pricing is unusual. As listed in October 2026, the Free plan is free "until your first paid sale"; after that you have 14 days to move to Professional, or new bookings and sales pause. Free live events cap at 10 participants with no recordings and Merkora branding. Professional is $79 a month (events up to 200 participants, 10 hours of recordings a month, 200 GB). A founding-member rate of $29 a month, locked for 12 months and then $39 for life, is offered for 50 founder spots. Merkora lists a 0% platform fee on all plans; Stripe processing applies.

The honest caution: the product appears new, with little public review history. There is one public page rather than a full multi-page website, and we found no habit tracking, daily check-ins or community feed documented. That puts it closer to a booking-and-products storefront than a program delivery tool.

Pick it over Coachful if you mostly sell sessions, short courses and live classes, want a single link rather than a website, and can grab a founder spot.

5. Coach Recap: notes-first admin for a small solo roster

Coach Recap is built for solo coaches and says plainly it is not aimed at agencies or enterprises. Its centre of gravity is the client profile: session history, session notes, goals and action items, all searchable. For wellness coaches who valued Practice Better mainly for notes and history, this is a lighter version of that habit.

Coach Recap homepage describing client profiles, session notes and booking for solo coaches
Coach Recap's homepage in October 2026.

Around the profile, it documents a booking page with buffers and notice rules, two-way Google Calendar and Outlook sync, and email reminders at 24 hours, 1 hour and 15 minutes. Programs are session packs or monthly subscriptions paid through Stripe, with sessions used and remaining tracked. Intake forms, check-ins, contracts, private chat and resource sharing round it out.

As listed in October 2026: Starter is free for up to 3 active clients (active means a session or booking in the last 90 days), Professional is $29 a month for up to 20 active clients, and Business is $79 a month for unlimited clients. Coach Recap takes no cut of client payments; Stripe's processing fees apply. Our capture of the pricing page showed euro amounts, and the App Store prices differ, which the vendor does not explain, so confirm the price at checkout.

Limits for wellness work: no website, funnels or email marketing, and no community. Check-ins exist, but we found no documentation of daily habit tracking with streaks. A coach running a 15-person program stays on the $29 plan, which is cheap, but they will still need a site and an email tool.

Pick it over Coachful if you coach a small one-to-one roster, your marketing already works through referrals or an existing site, and notes plus subscriptions are all you need.

6. Paperbell: one price, one coach, simple admin

Paperbell appeals to coaches leaving clinical tools because it is plain: booking, packages, payments, contracts, a client portal and a simple website, all for one price. If your Practice Better account mostly handled bookings and invoices, Paperbell will feel lighter.

Paperbell homepage pitching booking, payments and contracts for solo coaches
Paperbell's homepage in October 2026.

As listed in October 2026, Paperbell has a single plan at $97 a month, or $80.83 a month billed annually, with unlimited clients, sessions, files, packages and traffic. The pricing page shows a "Try For Free" button without a length; its help centre described a 7-day trial in July 2026, with the public site offline and client messages and SMS off during the trial. There is a 30-day money-back guarantee, and Paperbell states no additional transaction fees beyond Stripe or PayPal. Trustpilot showed 3.5 from 14 reviews in October 2026.

For a wellness coach, the gaps sit in delivery and retention. Its profile lists no courses, no community, and no goal or habit tracking, and there is no native mobile app, only the mobile browser. A 12-week gut-health program becomes a package of sessions plus PDFs, and the daily work happens outside the tool. Our Paperbell alternatives for wellness coaches covers who outgrows it.

The flat price works in Paperbell's favour at 40 clients, and against it at five, when $97 a month is a lot for a handful of sessions. It also accepts PayPal, which Coachful does not.

Pick it over Coachful if you sell sessions and packages only, want the simplest admin possible, and need PayPal checkout.

7. CoachAccountable: metrics and action plans, priced per client

CoachAccountable is a mature coaching back office: sessions, action plans, metrics, worksheets, courses, invoicing and agreements. Its metrics feature is the reason wellness coaches look at it, because a client can log a number (hours slept, servings of vegetables, steps) and both of you see the trend.

CoachAccountable homepage describing its coaching back office with action plans and metrics
CoachAccountable's homepage in October 2026.

Pricing scales with active clients, as listed in October 2026: Starter $20 a month for 2 active clients, Level 1 $40 for 5, Level 2 $70 for 10, Level 3 $120 for 20, Level 4 $250 for 50 and Level 5 $400 for 100. The 30-day free trial needs no card and has no limits. Trustpilot showed 4.8 from 47 reviews in October 2026, the strongest rating among the direct substitutes here.

The per-client model is the main limit for wellness coaches who run groups. A 40-person reset cohort lands on Level 4 at $250 a month. Its older profile also notes no native mobile app and no landing pages, website or marketing automation, so the attract stage needs other tools. CoachAccountable states that it is not HIPAA compliant, so it is no closer to clinical needs than Coachful.

Where it shines is depth of accountability for one-to-one clients: structured action plans, recurring worksheets and metrics with history. Coaches who used Practice Better's forms heavily will find the worksheet model familiar. See also our CoachAccountable alternatives page.

Pick it over Coachful if you coach a small number of high-touch one-to-one clients, want detailed metric logging, and do not need a website or community.

8. Satori: tidy packages with active-client billing

Satori is a coaching practice tool covering scheduling, a client portal, packages and programs, invoices and contracts. It bills on active clients only, so former clients who are not currently booked do not count toward your tier.

Satori homepage presenting scheduling, packages and client portal tools for coaches
Satori's homepage in October 2026.

As listed in October 2026: Scholar is free for unlimited pro-bono clients and is for people studying for a coaching certification (apply via a form). Essentials is $33 a month for up to 10 active paying clients, Pro $49 a month (50 active clients per its older profile) and Leader $124 a month (150 active clients). The 15-day trial gives unrestricted access without a card. Satori takes no charge on client payments; PayPal and Stripe fees apply.

The Scholar plan is useful for wellness coaches still completing practicum hours for a health and wellness coaching credential. Once you have paying clients, though, the gaps are the familiar ones: its older profile notes no landing pages, courses or community, no native mobile app and no native Zoom integration. Delivery is package-and-session shaped, with no documented habit or check-in tracking.

For a coach with 15 clients, Pro at $49 a month undercuts Practice Better's Professional plan, but the website, email and between-session delivery still need separate tools.

Pick it over Coachful if you are still a student coach working pro bono, or you only need scheduling, packages and invoices at a low price.

9. CoachVantage: unlimited clients with caps on pages and signatures

CoachVantage is coaching practice management with a CRM, scheduling, contracts with e-signature, invoices, a client portal, group programs with cohorts, and small courses. Unlike several tools above, it prices per coach with unlimited clients, which helps a wellness coach whose roster grows quickly.

CoachVantage homepage describing its coaching practice management software
CoachVantage's homepage in October 2026.

As listed in October 2026: Clarity is $39 a month ($35 annual) with unlimited contacts and engagements, but caps of 2 group programs, 2 sales pages, 2 booking pages, 4 e-signatures a month, 2 contract templates, 2 courses and 500 MB. Aha! is $59 a month ($53 annual) with unlimited group programs, sales pages, booking pages and e-signatures, 5 contract templates, 5 courses and 1 GB. Both have a 14-day trial with no card, and it states no commissions on revenue beyond Stripe or PayPal fees.

The Clarity caps bite fast in wellness: four e-signatures a month means only four new clients can sign agreements, and two group programs is tight if you run a sleep cohort and a stress cohort at once. Its older profile notes no team features, and reviewers describe the built-in video (CVMeet) as weak, with many users still on Zoom.

Sales pages give it a partial attract stage, but there is no full website, blog or email sequence tool documented, and no habit or daily check-in tracking.

Pick it over Coachful if you want a low per-coach price with unlimited clients for a CRM-led practice, and cohorts plus small courses cover your delivery.

10. Delenta: portal caps and a Premium-only app

Delenta documents a CRM, scheduling, contracts, client portals and group coaching, with a course creator and mobile app on its top solo plan. It suits coaches who want a portal per client and a clear upgrade path.

Delenta homepage presenting CRM, scheduling and client portals for coaches
Delenta's homepage in October 2026.

As listed in October 2026: Starter $29 a month ($19.08 annual) for one seat and 10 client portals, Pro $49 ($39.08 annual) for 40 portals and up to 6 calendars, and Premium $79 ($58.25 annual) for unlimited portals and 100 GB. Teams carries a per-seat licence fee not shown on the page, and Enterprise is custom. The trial length conflicts on its own page (a 14-day headline, a 7-day FAQ answer); no card is needed. Delenta states no additional transaction fees beyond Stripe or PayPal. Trustpilot showed 4.1 from just 5 reviews in October 2026.

For wellness coaches, the important detail is that the course creator and mobile app sit only on Premium. A coach who wants clients to open an app for daily program content therefore lands on $79 a month regardless of client count. Multi-coach features need the custom-priced Teams plan.

We found no documented website builder, email sequences, habit tracking or check-ins, so attract and between-session delivery still need other tools.

Pick it over Coachful if you want a CRM with a separate portal per client, PayPal checkout, and you are comfortable upgrading to Premium for the app.

11. Simply.Coach: structured engagements with tight solo caps

Simply.Coach focuses on structured coaching engagements: contracts, programs, sessions, booking pages and a client portal, with business and enterprise tiers for organisations that sponsor coaching. Corporate wellness coaches who report to an HR sponsor may find that structure useful; our corporate wellness software guide goes deeper on that use case.

Simply.Coach homepage describing contracts, programs and sessions for coaches
Simply.Coach's homepage in October 2026.

As listed in October 2026: Starter $9 a month (3 active coachees, 1 contract, 1 program), Essentials $29 ($24.17 annual) for 7 coachees, Growth $49 for 30 coachees, and Leap $69 for unlimited coachees, contracts and programs. Business tiers are per active coach: CoCreate $79 (10 clients per coach) and Surge $159 (25 clients per coach, with program managers and sponsors). There is a 14-day trial without a card, and no refunds for mid-period cancellations.

Caps on clients, contracts and programs apply on every solo tier below Leap, so a wellness coach running three programs for 20 people is already on Growth. Automated invoices were marked "Coming Soon" on the solo pricing page, and no website, email marketing, community or habit tracking is documented.

Pick it over Coachful if your clients come through employers or sponsors who need structured engagement reporting rather than through your own marketing.

12. Coaches Console: the long-standing, higher-priced system

Coaches Console is one of the older coach business systems, covering CRM, calendar, website, client portal, email and invoicing, with courses on its higher plan. It covers more of the journey than most admin tools, including the attract stage.

Coaches Console homepage presenting its business system for coaches
Coaches Console's homepage in October 2026.

As listed in October 2026: Core Console System is $197 a month ($166.42 annual) for a single coach account, with client limits not specified, and Total Console System is $297 a month ($249.75 annual) with unlimited products and courses. There is no free trial; billing details are required at signup, with a 30-day money-back guarantee instead. No setup fees are listed.

It has the highest entry price in the coaching-admin group, and reviewers describe the interface as dated. For a wellness coach with five clients, $197 a month is hard to justify; at 40 clients the maths is easier, but you are still paying more than most all-in-one options without documented habit tracking, daily check-ins or a community feed.

Pick it over Coachful if you value a long track record over a modern interface and want email, website and portal from a vendor that has served coaches for many years.

What do stack recipes cost at 5, 15 and 40 clients?

An all-in-one usually costs less than an assembled stack once you count the website and email tool, and the table below shows the software line before those extras. Listed monthly prices as of October 2026; processing fees are extra everywhere.

Client counts mean active clients where the vendor counts that way. AttractWell counts contacts, so a large email list can push you up a tier before your client count does.

Recipe A: the all-in-one

One account covers the site, the lead-magnet funnel, booking, checkout, the agreement, the 12-week program with habits and check-ins, the alumni community and the follow-up emails. The cost is one line; for Coachful at 15 clients, that is Solo: $49/month for up to 20 clients, and the white-glove team builds the site and first program. The trade-off is that you work inside one vendor's design choices.

Coachful's morning and evening check-in flows on a laptop, with the session calendar on a phone beside a mug of matcha.

Recipe B: the assembled stack

A typical assembled stack pairs an engagement tool with an admin tool, for example Quenza Growth ($50) for worksheets plus Coach Recap Professional ($29) for booking, notes and Stripe subscriptions: $79 a month at 15 clients, as listed in October 2026. At 40 clients, Coach Recap moves to Business and the pair costs $129. You then add a website builder and an email platform at their own prices, and clients use two apps and two logins. That second login is where wellness programs quietly lose people.

Recipe C: stay clinical, add marketing

If you chart or bill insurance, keep Practice Better and add only what it lacks: a website and an email tool. That is the right answer for practitioners, and our nutrition coach comparison covers nutrition-focused practices in more detail.

How do you migrate from Practice Better without losing clients?

Export first, rebuild second, invite clients last, and run both tools for one billing cycle. Practice Better's older profile describes a per-client archive (notes, invoices, forms) that is emailed and kept for 48 hours, a contact list export as a spreadsheet, and bulk export on request.

  1. Request the bulk export early. The per-client archive link expires after 48 hours, so download each one the day it arrives and store it somewhere your clinical retention obligations allow.
  2. Decide what does not move. Clinical notes and anything you would treat as health records stay in a compliant archive, not in a coaching platform. Move goals, program content, intake answers and contact details.
  3. Rebuild programs as weekly themes. A Practice Better program of PDFs becomes, for example, 12 weeks with one theme, three daily tasks and two habits each. In Coachful, clients, programs and content are imported for you during onboarding.
  4. Move recurring payments carefully. Subscriptions do not transfer between processors automatically. Let current subscriptions run out on the old tool and start new ones in the new tool from the next billing date.
  5. Re-sign agreements. Send your coaching agreement through the new tool so every active client has a signed copy on their new record.
  6. Invite clients in one batch, with a short video. Tell them what changes, what stays the same, and where to find their next session.

The step-by-step version lives in how to migrate from Practice Better.

Mistakes wellness coaches make when switching

  • Moving clinical notes into a non-HIPAA coaching tool because it is convenient.
  • Choosing on the 5-client price when your plan is a 40-person group program by spring.
  • Rebuilding a website before the program, so the site promises a journey that does not exist yet.
  • Launching habits without a check-in rhythm, so you cannot see who has gone quiet until week four.
  • Cancelling the old tool before the last subscription payment has cleared.

Which Practice Better alternative should a wellness coach choose?

Choose Coachful if you coach rather than treat and want one place for attracting, enrolling, delivering and retaining clients. Stay on Practice Better, or another clinical tool, if you chart, prescribe, bill insurance or need a BAA.

Among the rest: AttractWell fits SMS-led marketers, Quenza fits coaches who only need worksheets, Merkora and Coach Recap suit small solo practices on a budget, Paperbell and Satori cover simple admin, CoachAccountable suits high-touch one-to-one metric tracking, CoachVantage suits a CRM-led practice with unlimited clients, Delenta suits portal-per-client setups, Simply.Coach suits sponsored corporate engagements, and Coaches Console suits coaches who prize longevity over price. Frequently asked questions

Is Practice Better overkill for a wellness coach?

Often, yes. Its strengths (charting, telehealth, ePrescribe and fax add-ons) serve clinicians. A wellness coach who does not chart pays for those features while still needing a separate website and email tool.

Is Coachful HIPAA compliant?

No. Coachful is not HIPAA-certified and does not sign a business associate agreement. If you are a covered entity or keep clinical records, use a clinical system for those records.

Can I track client habits and daily check-ins in Coachful?

Yes. Programs include daily tasks, habits with streaks, morning and evening check-ins, and goals with progress bars. You see each client's status as thriving, active, quiet or at risk.

What is Coachful's free white-glove service?

It is a build service included on every plan. You describe a website, funnel, program, course outline, email sequence or form, attach references and files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include video recording, logo design or ad management.

Which alternative is cheapest for a coach with five clients?

On listed prices in October 2026, Quenza Spark ($25) and Coach Recap Professional ($29) are among the lowest, and Coach Recap's free plan covers up to 3 active clients. Neither includes a website or email marketing.

Do any of these tools sync with Fitbit, Garmin or Apple Health?

Coachful does not offer Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not publicly available. Clients log workouts, nutrition and check-ins in the app instead.

Can I take PayPal payments?

Not in Coachful, which uses Stripe Connect or Razorpay. Paperbell, Satori, CoachVantage and Delenta mention PayPal as a supported processor.

Can I export my data if I leave Coachful?

Yes. Coachful exports full client data as a ZIP, including the roster, notes, check-ins, goals, habits, sessions and form responses, plus a course export.

When should a wellness coach refer a client out?

Refer out when a client describes symptoms such as chest pain or fainting, signs of disordered eating, self-harm thoughts, a new or worsening condition, or medication questions. Coaching can continue on other goals once a clinician is involved and comfortable.

Can a small wellness team share one account?

Yes. Coachful's Studio and Agency team plans add coach seats with per-coach availability and staff permissions, and multi-coach session types can assign by round robin or least-busy coach.
