The 5 Best Platform for Academic Coaches, Compared

The 5 Best Platform for Academic Coaches, Compared

The best platform for academic coaches is the one that carries a student from a parent's first click to week ten of a study-skills program without you stitching five apps together. Academic coaching runs on routines: weekly planning, daily study habits, check-ins before a test, a group of seniors pushing through college essays together. So the deciding question is not "which tool hosts videos?" but "which tool runs the whole term, from enrollment to the last check-in, under one login?"

Our pick is Coachful. It puts booking, checkout, coaching agreements, multi-week programs with habits and check-ins, courses, cohort communities and your website in one place, with one branded app for students. We make Coachful, so weigh that, and read the four alternatives below with the same care: Kajabi, Thinkific, Podia and Mighty Networks each do one part of the job very well, and for some academic coaches one of them is the better fit.

This guide follows the academic client journey stage by stage (attract, enroll, deliver, retain), shows which platform covers which stage, then prices complete stacks at 5, 15 and 40 students. Vendor prices are as listed in October 2026.

What do academic coaches sell online?

Academic coaches sell structured support for how students learn, plan and follow through, usually as a package or a term-long program rather than single sessions. The offers below are examples of what a platform has to handle, not a list of what any particular coach charges.

  • Study skills and executive function programs. An 8 to 12 week program for high school or university students: weekly planning sessions, a daily study habit, a Sunday check-in, short lessons on note-taking and time blocking. Coaches who specialize in ADHD students often run a version of this (see our page for ADHD coaches).
  • College application cohorts. A group of rising seniors working through essays, activity lists and deadlines from summer to January, with group calls, a shared community and individual milestones.
  • Graduate and thesis coaching. Dissertation accountability groups, writing sprints and 1:1 sessions for doctoral students who need structure more than subject help.
  • Test-prep strategy courses. A self-paced course on study planning and test-day routines, often sold as an entry product that leads into 1:1 coaching.
  • Parent workshops and memberships. Webinars and recorded lessons for parents on homework routines, motivation and how to support a student without taking over.
  • Transition coaching. First-year university students learning to manage freedom and workload, or adults returning to study. Career-focused versions overlap with career coaching.

A note on scope: academic coaching is not subject tutoring, therapy or a learning-disability evaluation. If a student shows signs of anxiety, depression or an unassessed learning difference, refer the family to the school counselor, the student's doctor or a licensed psychologist, and keep coaching to planning, habits and follow-through.

What does an academic coaching client journey need at each stage?

Each stage of the journey asks something different of your platform, and most tool problems show up as a gap between two stages. Here is what each one needs in academic coaching specifically.

Attract: reach parents and students where they search

Families compare coaches on a website, a free resource (a study planner download, a "how to survive finals" webinar) and proof that you understand their situation. You need a website with a blog and SEO settings, lead-magnet pages, an email list and a way to follow up. Be careful with testimonials: the FTC's Endorsement Guides say testimonials showing exceptional results need proof that they reflect what people generally achieve, or the ad must make the generally expected results clear (FTC Endorsement Guides FAQ). "My student got into an Ivy" is exactly that kind of claim.

Enroll: turn a consultation into a signed, paid start

Most academic coaching sells through a free consultation with the parent. You need a booking page with time-zone detection (families relocate, students go abroad), intake questions, a checkout that handles payment plans for term-long programs, and an agreement signed before the first session. When the student is a minor, decide who signs and check with an attorney about consent and privacy rules where you work.

Deliver: run the term, not just the sessions

This is where academic coaching differs from course selling. Students need a weekly goal, daily tasks, a study habit to track, a quick check-in, short lessons and a recurring session. Cohorts need a group space and group calls. A platform that only hosts lessons leaves you chasing students by text between calls.

Retain: keep students through the term and into the next one

Retention in this niche follows the academic calendar: a fall program, a finals sprint, a summer application cohort. You need to see which students are going quiet, re-enroll families with a renewal or a new offer, and email past clients without breaking the rules. The FTC's CAN-SPAM guide requires a clear opt-out that you honor within 10 business days (CAN-SPAM compliance guide).

Build your platform

How did we choose and rank these platforms?

We compared what each vendor documents on its own site and pricing page in October 2026, plus what public reviewers report; we did not run hands-on tests. Five tools made the list because they are the ones academic coaches realistically shortlist for selling and delivering online.

Ranking criteria: how much of the student journey runs under one login, the quality of between-session delivery (habits, check-ins, programs), the total monthly cost of a working stack, and setup effort, including whether someone will build it for you.

Which platform covers which stage of the academic journey?

Only one of the five covers all four stages natively; the others cover one or two stages well and leave the rest to add-ons. This table summarizes what each vendor documents.

1. Coachful: the whole student journey under one login

A laptop showing a course builder with modules and lessons next to a tablet showing habit tracker cards

Coachful is a coaching platform where one subscription covers booking, payments, coaching agreements, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. You work from one login; your students use one app carrying your branding. It is built for coaches who deliver programs rather than single sessions, solo coaches growing into a small team, and coaches replacing four to six tools. That description fits most academic coaching businesses closely.

How a study program actually runs in it

A term-long study skills program becomes a multi-week program with a weekly goal (finish the history research outline), daily tasks (two 25-minute study blocks), habits (read 30 minutes, review flashcards) and morning and evening check-ins. Goals show progress bars and habits build streaks, which gives a 15-year-old something concrete to see between Tuesday calls. When a student enrolls in a group program, a cohort group is created automatically, so a college essay cohort gets its own space without manual setup.

Courses sit alongside the program: modules, lessons, drip release and completion tracking, plus downloads, videos and bundles, all delivered into the student's branded home and app. A "Note-taking that sticks" mini course can drip one lesson per week of the program. There are 48 course templates with quizzes and more than 40 program templates to start from.

Here is a short walkthrough of how programs are built and delivered:

Enrollment, from parent consultation to paid start

Booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync. Sessions run on built-in video or auto-created Zoom, Meet or Teams links, with email reminders, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. Intake questions on the booking form capture grade level, school and what the parent is worried about before the consultation.

Payments go through your own Stripe Connect or Razorpay account: one-time charges, subscriptions, payment plans (useful for a semester program), order bumps such as a parent workshop, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax. Coachful takes a 0% platform fee; you pay only Stripe or Razorpay processing. Coaching agreements with e-signature go out before the first call and are stored on the client record (more on coaching contracts).

Keeping students on track between sessions

Each client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, and labels the student as thriving, active, quiet or at risk. That status is the early warning academic coaches need: a student who stops checking in during midterms shows up as quiet before the parent emails you. Michelle, the built-in AI assistant, works from that live data to brief you before each session, draft emails and content, build programs and summarize recorded sessions. Questions and planning with Michelle are included in your Coachful membership; confirmed builds and changes use AI credits.

The community covers a feed, group chat, direct messages and video events, plus group calls and webinars, so a parent webinar and a weekly cohort study hall can live in the same place as 1:1 work. If you are pursuing an ICF credential, Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log (ICF hour tracking).

Attracting families without a separate website stack

The section-based website builder includes a blog, custom domain, SEO settings and 30 designed homepage templates, with booking, application, lead-magnet and checkout funnels that support pixels and UTM tracking. Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits handle the follow-up after a parent downloads your study planner. See the website builder page for details.

Why Coachful stands out: a free white-glove service. From Create, then "We'll build it for you · FREE", you describe what you want built: a website, a funnel, a sales page for your semester program, a program or course outline, an email sequence, a form or worksheet, a webinar page. You can attach up to 8 reference links and up to 10 files such as your logo, photos and existing copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices; gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing. One recent build: a leadership coach with a website renewal days away got one clean homepage with a repeated "talk with me" button. Read more about the free white-glove service.

Limits to know before you choose it

Coachful is not HIPAA-certified and offers no BAA, so it is not a place for clinical records or psychoeducational evaluation files. There is no PayPal and no permanent free plan, which matters if many families in your area prefer PayPal. The student app ships under the Coachful listing with your branding rather than under your own App Store account. It is not a course marketplace, so students will not discover you there; you bring your own audience. The affiliate program tracks links, clicks, conversions and revenue, but payouts to, say, a school counselor who refers families are recorded manually rather than sent by Coachful.

Price: flat monthly plans; lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click and there is a free trial.

2. Kajabi: polished for course and community income

Kajabi suits an academic coach whose revenue comes mostly from courses, a membership and a paid community, with 1:1 coaching as a smaller add-on. It is a course, community, website, funnel and email platform for selling knowledge products, and its funnels and email are mature.

Kajabi homepage introducing its platform for selling courses, communities and coaching
Kajabi's homepage in October 2026.

Where Kajabi earns its price

A test-prep strategy course, a parent membership and a community for past students can all live on one Kajabi site with its own funnels and email. The Growth plan lifts limits to 50 products and 25,000 contacts, which leaves room for a large parent list. Kajabi Payments in the US costs 2.9% + $0.30 on Basic, 2.8% + $0.30 on Growth and 2.7% + $0.30 on Pro.

Where it falls short for academic coaching

Coaching in Kajabi is organized as products and communities, not per-client plans. There is no habit tracking and no daily client check-ins, so the weekly goal, daily study blocks and Sunday check-in that define an executive function program have to be handled another way, often by email or a spreadsheet. Basic includes 0 AI credits and caps at 5 products and 2,500 contacts. If you use a payment processor other than Kajabi Payments or PayPal, Kajabi adds 2% on Basic, 1% on Growth or 0.5% on Pro on top of the processor's fees.

Pricing as listed in October 2026: Basic $179/mo ($143/mo annual), Growth $249/mo ($199/mo annual), Pro $499/mo ($399/mo annual). The standard trial is 14 days; a card is optional, and if you enter one Kajabi places an authorization hold and charges when the trial ends. Some features, such as bulk contact import, stay locked until a paid plan is active. Trustpilot showed 3.4 from 2,347 reviews in October 2026.

Pick it over Coachful if your business is mostly recorded courses and a membership, you want PayPal at checkout, and you are comfortable running student accountability outside the platform.

3. Thinkific: built for courses at scale

Thinkific is the strongest pure course platform here for academic coaches who sell self-paced study skills or test-prep courses to many students at once. It adds communities, memberships, and coaching or webinar products on top.

Strengths for course-led academic businesses

The Start plan allows 10,000 current students, 2 admins, one community with 10 spaces, 5 live community events and 200 GB a month of video bandwidth. That is plenty for a school-year course aimed at a large audience, or for selling a course to a school or tutoring center that enrolls its own students. There is a 0% Thinkific transaction fee when you use Thinkific Payments, which Thinkific describes as in line with other processors at 2.9%. A 30-day free trial is listed on every self-serve plan.

Growth inside Thinkific is gradual. Grow moves you to 6 admins, 3 communities with 20 spaces and 400 GB a month of bandwidth, and Thinkific lists a maximum group size of 50 on Start and 100 on Grow. That suits an academic business that hires a second coach to run a test-prep cohort while the founder keeps the flagship course, or one that licenses a study skills curriculum to several tutoring centers, each with its own admin.

Gaps to plan around

Thinkific has no built-in 1:1 scheduling; coaching relies on external booking links. There are no client habits, daily check-ins or per-client plans, so a program built around routines needs a second tool. A branded mobile app is a $199/mo add-on. Prices rose about 10% on August 13, 2026 (Start went from $99 to $109). If you use third-party Stripe or PayPal gateways, Thinkific charges an extra per-plan gateway fee whose amounts are not listed on the pricing page.

Pricing as listed in October 2026: Start $109/mo ($82/mo annual), Grow $219/mo ($164/mo annual), Expand $499/mo ($374/mo annual), and a custom Plus plan. Trustpilot showed 1.8 from 868 reviews in October 2026.

Pick it over Coachful if you plan to sell a self-paced course to thousands of students and 1:1 coaching is a small, separately booked part of the business.

4. Podia: the simplest storefront

Podia is a plain, low-effort storefront for courses, downloads, webinars, coaching sessions and a community. For a new academic coach who wants to sell a study planner, a recorded parent webinar and a few session packages, it is quick to set up.

Podia homepage introducing its storefront for courses, downloads and community
Podia's homepage in October 2026.

What you get

Mover includes 50 products, 500 videos and 25 community spaces; Shaker raises that to 150 products, 1,000 videos, 100 spaces and one assistant. The trial is 14 days with full access and no credit card required. Stripe or PayPal processing (2.9% + 30¢ standard) applies on top of any Podia fee.

In practice, an academic coach might list a printable finals planner, the replay of a parent webinar on homework routines, a short course on note-taking and a five-session coaching package, all on one storefront page. Earthquaker removes the caps on products, videos, spaces and assistants if the catalog grows. Because the setup is light, Podia works well as a first storefront while you test which offers families actually buy.

What you give up

Email subscriber allowances are small: 100 on Mover, 500 on Shaker and 1,000 on Earthquaker. For an academic coach building a parent list through a free study guide, 100 subscribers runs out fast. Mover also charges a 5% transaction fee. Podia has no client habits, check-ins or per-client plans, and public profiles report no mobile app and no native video calls, so sessions run on another tool.

Pricing as listed in October 2026: Mover $49/mo ($42/mo annual), Shaker $99/mo ($84/mo annual), Earthquaker $179/mo ($150/mo annual). On monthly billing, Shaker becomes cheaper than Mover once you sell more than $1,000 a month (5% of $1,000 is $50, which brings Mover to $99). Trustpilot showed 4.1 from 153 reviews in October 2026.

Pick it over Coachful if you mainly sell a few digital products and occasional sessions, you want PayPal, and you do not need structured programs or check-ins yet.

5. Mighty Networks: community-first cohorts

Mighty Networks fits an academic coach whose main product is a community: a dissertation writing group, a membership for parents of college-bound students, or a year-round study hall with live events. It combines community, courses and events, with member apps branded as Mighty.

What works for study cohorts

Launch includes 3 hosts, 10 moderators, 200 GB of storage and 20 hours a month of livestreaming for up to 100 attendees, which comfortably covers weekly writing sprints. Scale raises that to 30 hours and 200 attendees. The 14-day trial needs no credit card and includes Growth plan features. A larger program, such as a year-round membership for parents of college-bound students, can move to Growth, which lists 10 hosts, 100 moderators, 1 TB of storage and 40 hours of livestreaming a month for up to 1,000 attendees. Hosts and moderators are useful when past students or graduate assistants help run writing sprints. For more on running groups, see our guide to cohort coaching platforms.

What you will add on

There is no 1:1 scheduling, invoicing or contracts, and no per-client habits, check-ins or private coaching plans. Mighty takes a platform fee on sales of 2% on Launch, 1% on Scale and 0.5% on Growth and Mighty Pro, plus Stripe processing. Your own branded apps come only with the custom-priced Mighty Pro plan. For an academic coach, that means 1:1 sessions, payment plans for families and signed agreements all live somewhere else, and a parent asking "how is my daughter doing this week?" gets an answer from your notes rather than from the platform.

Pricing as listed in October 2026: Launch $95/mo ($79/mo annual), Scale $215/mo ($179/mo annual), Growth $354/mo billed annually, and custom-priced Mighty Pro. Trustpilot showed 3.3 from 219 reviews in October 2026.

Pick it over Coachful if your offer is a large community or membership first, 1:1 coaching is rare, and live events matter more than individual student plans.

How do the selling and delivery features compare?

The clearest split is between platforms built to sell content and platforms built to coach individuals through it. This matrix shows what each vendor documents for the features academic coaches use most.

What does one academic offer look like built end to end in Coachful?

Take an example offer: a 10-week "Finals Ready" executive function program for high school juniors, sold to parents as 1:1 coaching plus a small cohort. Here is how each stage is set up inside one account. The details are illustrative, not a customer story.

  1. Website and lead magnet. Pick one of the 30 homepage templates, add an About page and a "Work with me" page, and publish a free "Finals week study planner" through a lead-magnet funnel. A three-email sequence follows up: the planner, a short video on time blocking, then an invitation to book a consultation.
  2. Consultation booking. A booking page for a free 20-minute parent consultation with intake questions (grade, school, current grades in each subject, what the student says is hard). Time-zone detection handles families abroad.
  3. Checkout. A checkout funnel for the program with a payment plan across three months and an order bump for a recorded parent workshop. Payments land in your own Stripe account.
  4. Agreement. The coaching agreement goes out for e-signature before the first session and is stored on the client record. Have an attorney review it if you coach minors.
  5. Onboarding. A welcome flow greets the student, asks for their class schedule and sets up the first weekly goal.
  6. Program. Ten weeks, each with a goal (week 3: build a revision timetable for every subject), daily tasks (two study blocks), habits (phone in another room while studying) and morning and evening check-ins. A short course on active recall drips one lesson per week.
  7. Community. Enrollment creates the cohort group automatically. A weekly 45-minute group study hall runs as a video event, and students post wins in the feed.
  8. Retention. Watch for students turning quiet or at risk in week 6, when midterms hit. In week 9, email families about a spring program or a summer college-application cohort.

What does each stack cost at 5, 15 and 40 students?

An all-in-one stack costs one subscription plus payment processing; an assembled stack adds a scheduler, an e-signature tool and sometimes an email tool on top of a course or community platform. To compare platform fees, assume an example program at $250 a month per student, so monthly sales are $1,250, $3,750 and $10,000. Payment processing (2.9% + 30¢ for US cards on several of these vendors' own payment options) applies to every row and is left out.

Two patterns stand out. First, percentage fees grow with your success: at 40 students, Mighty's 2% on Launch costs more than the plan itself. Second, the assembled rows look cheap until you add a scheduler and an e-signature tool, which we have not priced here because we did not verify those vendors today. Price your own add-ons before comparing totals, and include your time: every extra tool is another login for families and another place for a student to slip through.

What mistakes do academic coaches make when choosing a platform?

The most common mistake is choosing a course platform for a business that is really built on accountability. Others follow from the same gap.

  • Buying for the launch, not the term. A nice sales page matters for a week; the check-ins matter for ten. Judge platforms on week 6 of a program, when motivation drops.
  • Ignoring percentage fees. A 2% or 5% fee looks small at five students and becomes a real line item at forty. Run your own numbers like the table above.
  • Making parents juggle logins. If the booking link, the payment page, the course and the group chat each live in a different tool, families lose track. Fewer logins means fewer "where do I find this?" emails.
  • Overpromising results in marketing. Grade jumps and admissions outcomes are exactly the kind of exceptional results the FTC expects you to substantiate or put in context. The FTC also warns consumers that promises of a "proven system" are a red flag (FTC consumer advice on coaching scams). Fake or incentivized-for-sentiment reviews are prohibited under the Consumer Reviews and Testimonials Rule (FTC rule Q&A).
  • Storing the wrong records. Psychoeducational evaluations, IEP documents and diagnoses belong with the family and the school, not in a coaching platform that is not built for clinical records.
  • Skipping the agreement. A signed agreement that sets scope (coaching, not tutoring or therapy), cancellation terms and who the client is prevents most disputes with parents.

How do you move an existing practice onto a new platform?

Move between terms, not in the middle of one, and move the people before the content. A student halfway through finals prep should not be learning a new app.

  1. Export everything first. Download your client list, past session notes, course videos and email subscribers from the current tools. Our guide to protecting coaching data from platform shutdowns lists what to keep.
  2. Plan payments carefully. Active subscriptions usually cannot be moved between processors without the client re-entering a card. Let current payment plans finish, and start new enrollments on the new platform.
  3. Rebuild the next program, not the archive. Set up the program that starts next term, then move older courses as time allows.
  4. Tell families once, clearly. One email with the new login, what changes and what stays the same, sent a week before the new term.
  5. Keep the old tool read-only for a month so you can check anything you missed before cancelling.

When moving to Coachful, clients, programs and content are imported for you during onboarding, and you can export full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses) whenever you need it.

Which is the best platform for academic coaches?

For most academic coaches, Coachful is the best platform because it runs all four stages, from the parent's first visit to the student's last check-in, under one login, with habits, check-ins and cohorts built in and a 0% platform fee. Kajabi is the better choice for a course-and-membership business that wants PayPal; Thinkific for self-paced courses at large scale; Podia for a handful of simple products; Mighty Networks for a community-first membership.

Whichever you choose, set it up before the term starts, keep your marketing claims honest, and keep coaching inside its scope. To try Coachful, start the free trial, then use the free white-glove build to have your site, funnel and first program set up in your account. Frequently asked questions

What is the best platform for academic coaches?

Coachful ranks first in this comparison because it combines booking, checkout, agreements, multi-week programs with habits and check-ins, courses, community and a website in one login. If your income is mostly recorded courses, Kajabi or Thinkific may fit better. Compare them on how a student's week 6 looks, not just the sales page.

Can I use a course platform like Thinkific or Kajabi for academic coaching?

Yes, for the course part. Both deliver lessons well, but neither includes daily client check-ins, habits or per-client plans, and Thinkific has no built-in 1:1 scheduling. You would add a scheduler and an accountability method alongside.

What does the free white-glove service include?

You describe what you want built, such as a website, a funnel, a program outline or an email sequence, and attach up to 8 links and 10 files. The Coachful team builds it inside your account, usually within about 24 hours, without inventing credentials, testimonials or prices. It does not include recording videos, logo design, ads or ongoing marketing.

Is Coachful suitable for coaching students under 18?

You can run programs for any student you coach, but decisions about consent, who signs the agreement and what data you collect from minors are yours to make. Check with an attorney about the privacy and consent rules where you and your clients live. Coachful is not HIPAA-certified, so keep clinical and evaluation records out of it.

Do academic coaches need a separate website?

Not if the platform includes one. Coachful, Kajabi and Podia include a website or storefront; Thinkific centers on a course storefront; Mighty Networks offers community pages. A separate website adds another bill and another place to keep updated.

How should I price an academic coaching program?

Start from the outcome and the time involved: count sessions, group calls and your between-session review time per student per month, set an hourly value for your time, and add the cost of your platform per student. Then test the price on consultations and adjust. Payment plans make term-long programs easier for families to accept.

Can I accept PayPal for academic coaching?

Kajabi, Podia and Thinkific (with a gateway fee) support PayPal. Coachful does not support PayPal; it uses your own Stripe or Razorpay account, with Apple Pay and Google Pay available at checkout.

What is the difference between academic coaching and tutoring?

Tutoring teaches subject content; academic coaching builds the planning, study habits and follow-through a student needs to learn any subject. Many coaches refer content gaps to a tutor and refer emotional or learning concerns to the school counselor or a licensed professional.

Can I run a college application cohort and 1:1 coaching on the same platform?

In Coachful, yes: a group program creates a cohort group automatically on enrollment, while 1:1 sessions and individual goals sit on each student's record. Mighty Networks handles the cohort side well but has no 1:1 scheduling or contracts. Our group coaching platform guide covers cohort planning step by step.

How long does it take to set up?

It depends on how much you already have. Templates for programs, courses and funnels give you a starting structure, and the free white-glove build can set up your website, funnel or program for you, usually within about 24 hours. Plan to finish setup before the term starts.
