Best Webinar Platforms for Health Coaches: 12 Options Ranked

Best Webinar Platforms for Health Coaches: 12 Options Ranked

The best webinar platforms for health coaches do two jobs, not one. They run a calm, reliable live workshop on sleep, energy, digestion or stress habits, and then they carry the people who showed up into a paid program where daily habits and check-ins do the real work. A platform that only broadcasts leaves you rebuilding the client journey in four other tools the moment the replay ends.

Our pick is Coachful, because the registration funnel, the live group call, the follow-up emails, the booking page for a discovery call and the habit-based program all sit behind one login, and clients see your branding in one app. We make Coachful, so weigh that, and read the eleven alternatives below: if your main need is a large broadcast-style webinar with an automated replay engine, a dedicated webinar tool or a funnel suite may suit you better, and we say where.

This guide is written for health and wellness coaches specifically. If you coach in another niche, the parent guide to the best webinar software for coaches covers the general picture.

What do health coaches actually need from a webinar platform?

Health coaches need a webinar setup that teaches, qualifies and converts without drifting into medical advice. In practice that means five things, and most platforms cover only two or three of them.

1. A registration page that asks the right questions. A free "reset your sleep in 14 days" workshop draws a mixed audience: perimenopausal women with night sweats, shift workers, new parents, people already under a doctor's care. A few registration questions (main goal, current routine, whether they are working with a clinician) help you shape the session and spot who might be a good fit for coaching later. You do not want diagnoses, lab results or medication lists on a marketing form.

2. A live room built for teaching and Q&A. Health webinars are usually 45 to 75 minutes: a short framework, a demo (a breathing drill, a plate-building walkthrough, a 10-minute mobility routine), then questions. You need chat and a stable stage for one or two presenters, not a 3,000-seat virtual conference.

3. Replays that stay useful. A large share of registrants never attend live, so the recording becomes a lead magnet, a lesson in your course or a bonus in your membership.

4. Follow-up that leads to a discovery call or a program. The money in a health coaching webinar is rarely in the webinar. It is in the email sequence afterwards, the booking page for a consultation, and the 8 or 12 week program that follows.

5. Delivery that matches how behavior change works. Health coaching outcomes depend on what clients do between sessions: water, steps, protein at breakfast, a wind-down routine. Daily check-ins, habit tracking and a group space keep momentum going after the live energy fades. That is why we weigh between-session delivery heavily, and why our wider guide to health coaching software treats habits and check-ins as non-negotiable.

A scope line worth repeating on every webinar. Coaching is not treatment. A health coaching webinar can teach habits and share general education; it should not diagnose, interpret labs or advise on medication. Say this at the start, put it on the registration page, and when someone describes symptoms such as chest pain, unexplained weight loss, fainting, disordered eating or thoughts of self-harm, tell them to see a doctor or an appropriate professional and do not coach around it live. The National Board for Health & Wellness Coaching publishes scope-of-practice guidance that is worth reading before you design a public workshop. None of the platforms below, including Coachful, is a clinical record system; Coachful is not HIPAA-certified, so clinical records belong in a clinical system.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

How did we choose and rank these tools?

We started from what a health coach does in the 30 days around a webinar: build a registration page, send reminders, teach live, send a replay, invite people to a call, enroll a group and support them daily. Each tool was scored on how many of those steps it covers natively, using what vendors document on their pricing and feature pages and what public reviewers report. We did not run hands-on tests and did not rank on attendee capacity alone, because most health coaches run workshops for dozens of people, not thousands.

Four factors drove the order. First, one login for the client journey. Second, between-session delivery, since habits and check-ins are where health coaching results come from. Third, total stack cost: a $45 webinar room is not cheap if you also need a booking tool, an email tool and a program app. Fourth, setup effort for a coach who would rather be coaching than wiring Zapier. Direct coaching-admin tools (Practice Better and Paperbell) sit mid-table because they handle clients well but lean on Zoom for group video.

1. Coachful: the workshop, the follow-up and the program in one place

A laptop with a coaching community feed and a tablet with a list of funnels on a home studio desk
Coachful's community feed with a live Q&A on the laptop and the funnels list, including a demo webinar funnel, on the tablet.

Coachful is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. For a health coach, that means the webinar is not an island: the person who registers on Monday can watch live on Thursday, book a consultation on Friday and be checking in on their evening wind-down habit a week later, without switching apps or creating a new login.

How does a webinar actually run in Coachful?

Group calls and webinars run inside Coachful, with built-in video or auto-created Zoom, Google Meet or Microsoft Teams links if you prefer the tool your audience already knows. Video events live alongside the community feed, so attendees land in your space rather than a stranger's meeting room. If you sell a paid masterclass, payments go through your own Stripe Connect or Razorpay account, with coupons, order bumps, Apple Pay and Google Pay, and Coachful takes a 0% platform fee; you pay only Stripe or Razorpay processing.

The demo community feed as a client sees it: a live Q&A session at the top, member avatars and coach posts with reactions.

Registration starts with a funnel. Coachful builds booking, application, lead-magnet and checkout funnels with Meta Pixel and UTM tracking, and the template library includes about 25 funnel templates. A health coach can run a "free gut-friendly breakfast workshop" funnel that collects a name and email, adds the registrant to an email list and triggers a multi-step sequence with delays and branching: reminder, replay, then an invitation to book a call.

What happens after the replay?

This is where Coachful separates from webinar-only tools. The booking page for a discovery call has availability rules, buffers, minimum notice, time-zone detection, intake questions and two-way Google, Apple/iCloud and Outlook calendar sync. Email reminders go out automatically, and once messaging is enabled, SMS reminders 24 hours before and WhatsApp reminders one hour before. A coaching agreement with e-signature can be sent before the first call and is stored on the client record.

The demo Sessions calendar for September 2026, with 1:1 coaching, morning accountability calls and weekly group sessions in different colors.

Then comes delivery. Multi-week programs hold weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. When someone enrolls in a group program, a cohort group is created automatically, so the 20 people who joined after your sleep workshop share a space for questions and wins. Each client record shows goals, check-ins, habits, notes, intake answers, payments and sessions, and flags clients as thriving, active, quiet or at risk, which is useful when a participant goes silent in week three. Coaches with a nutrition focus can add the Fitness & Nutrition pack for nutrition targets, meal plans, recipes, food lookup and weekly check-ins.

Michelle, the built-in AI assistant, works from your live practice data: it can draft the webinar follow-up emails, outline a program, summarize recorded sessions and brief you before a call. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits.

Where Coachful falls short for webinars

Coachful does not advertise automated "evergreen" webinar replays that pretend to be live, and it is not built for 3,000-seat broadcasts with restreaming. It is not HIPAA-certified and offers no BAA, so it is not the place for clinical notes or insurance billing. There is no PayPal, no permanent free plan, and no Garmin, Fitbit, Whoop or Oura sync. The client app ships under the Coachful listing with your branding, not under your own App Store account.

Why Coachful stands out: a free white-glove service. From Create > We'll build it for you, you describe what you want, attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. For a health coach that could be the webinar itself as an event, the registration funnel, the replay email sequence or the 8-week program that follows. One menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. The team invents nothing: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not cover recording videos, logo design or ad management. Read more about the white-glove build service.

Who it suits: health coaches who run workshops to fill programs, solo coaches growing into a small team, and anyone replacing a stack of four to six tools. Plans are flat monthly, lower plans cap the number of clients and Pro is unlimited (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). To start, take a free trial and request the white-glove build. More detail lives on the Coachful for health coaches page.

2. Kajabi: built-in live video for course-led health brands

Kajabi's homepage promoting its course, community and coaching platform
Kajabi's homepage in October 2026.

Kajabi is a course, community, website, funnel and email platform for selling knowledge products, and its Coaching product includes built-in live video for up to 200 participants with 20 breakout rooms, according to its documentation. For a health coach, breakout rooms are handy: split a 60-person hormone-health workshop into groups of six to discuss their evening routines, then bring everyone back.

Its strength is the sales side. You can sell the workshop, the course built from the replay and a group program from one dashboard, with a community that includes challenges and live rooms. The Kajabi Scheduler handles availability-based booking for coaching calls, so a discovery-call invitation after the webinar does not need Calendly.

What it lacks for health coaching is the daily layer. Kajabi has no habit tracking or daily client check-ins; coaching is organized as products and communities, not per-client plans. If your program is "drink two liters, walk 8,000 steps, log your sleep," clients have no native place to tick those off, so many coaches bolt on another app.

Cost is the other issue. As listed in October 2026, Basic is $179/mo ($143/mo annual) with 5 products, 2,500 contacts and 0 AI credits; Growth is $249/mo ($199/mo annual); Pro is $499/mo ($399/mo annual). Kajabi Payments in the US costs 2.9% + $0.30 on Basic, and using another processor adds a Kajabi fee of 0.5% to 2% depending on plan. There is a 14-day trial. Trustpilot shows 3.4 from 2,347 reviews (seen October 2026).

Pick it over Coachful if you already have a sizeable audience, sell several courses and want native live video with breakout rooms, and you are happy to handle daily habits and check-ins somewhere else.

3. Circle: live streams for a paid wellness community

Circle's homepage promoting its community platform for creators and brands
Circle's homepage in October 2026.

Circle suits the health coach whose business is a membership: a monthly "metabolic health circle" with a live Q&A every Tuesday, a course library and member discussions. Native Live Rooms (interactive) and Live Streams run inside the community, so members attend where they already post, and events, private spaces per cohort and paid memberships sit alongside.

For webinars specifically, the advantage is continuity. A workshop held inside a Circle space leaves a thread of questions, replies and replay comments that keeps the topic alive for weeks. That is good for retention in a membership, and it gives quieter members a way to engage after the live session.

The gaps are on the one-to-one side. Circle has no 1:1 scheduling and no client management back office, and no per-client habits, check-ins or coaching plans. A coach who sells a webinar into a 1:1 package needs a separate booking tool, a separate client record and probably a separate email platform. Branded mobile apps are only on custom-priced Circle Plus.

As listed in October 2026, Professional is $89/mo billed annually with 3 admins and 10 moderators, Business is $199/mo billed annually and Scale $419/mo billed annually; monthly-billed prices were not shown in our data. Circle adds a fee on payments of 2% on Professional, 1% on Business and Scale, and 0.5% on Circle Plus, plus Stripe processing. A 14-day trial needs no card. Trustpilot shows 4.1 from 129 reviews.

Our roundup of community platforms for health coaches goes deeper on Circle's community features.

Pick it over Coachful if your offer is a community-first membership with many members, live streams are your main teaching format, and 1:1 coaching is a small side of the business.

4. Mighty Networks: challenges and live streams for cohorts

Mighty Networks is a community platform with courses, events and memberships, and it includes native live streaming with hour and viewer caps that depend on the plan, plus a Zoom integration. Its Challenges feature is the interesting part for health coaches: a "21-day hydration challenge" launched off the back of a webinar gives participants a daily prompt and a reason to come back.

Challenges are not a per-client habit tracker, though. They encourage daily activity across the group but do not give you an individual view of who is sleeping better and who has stalled. Course progress and challenge participation are the main progress signals.

Mighty Networks has no availability-based 1:1 booking, intake, notes, contracts or client progress tools, and no funnels, full email marketing or public website. A health coach would run registration elsewhere, then invite attendees into the network. Its own branded iOS and Android apps are on Mighty Pro, which is custom-priced.

Pricing as listed in September 2026: Launch shows $79/mo billed annually ($950/yr) and Scale $179/mo billed annually; monthly-billed prices were not stated clearly on the pricing page. Mighty takes a platform fee of 2% on Launch, 1% on Scale and 0.5% on Mighty Pro, plus Stripe processing, and transaction fees are not refunded on member refunds. Members are unlimited on all plans. Trustpilot reviewers praise support but also report unexpected auto-renewals and cancellation barriers (3.3 from 215 reviews).

If community challenges are the heart of your webinar follow-up, it is worth comparing Mighty against the options in our guide to group coaching platforms for health coaches.

Pick it over Coachful if your model is an app-first community built around cohort challenges and live streams, and you do not sell 1:1 coaching or run your own website and email from the same tool.

5. Demio: a dedicated webinar room, nothing more

Demio is the only pure webinar tool on this list, and that is both its appeal and its limit. Its pricing page, checked in October 2026, lists live and event-series webinars, pre-recorded on-demand and automated webinars, chats, polls, featured actions and handouts, engagement analytics, custom room and email branding, custom registration form fields and registration source tracking. Live captions, restreaming and custom domains also appear in the plan comparison, with custom domains listed on Premium.

For a health coach, the handouts and featured actions are useful: share a printable "evening wind-down checklist" mid-session, then show a button to book a consultation while energy is high. Automated webinars let a "blood sugar and energy basics" talk play on a schedule while you coach.

The price structure is per host. As listed today, Starter is $45/mo paid yearly or $63/mo paid monthly, with a single host and a 50-person attendee room. Growth is $117/mo per host paid yearly with room sizes from 150 to 3,000, and Premium is $196/mo per host paid yearly, adding a dedicated success manager, custom domains and up to 10 people on stage. A 50-seat room is enough for most health coaching workshops.

What Demio does not do is anything after the webinar. There is no booking page, no client record, no program delivery, no habits or check-ins, no community. A coach using Demio still needs a website, an email tool, a scheduler and a program app, and the attendee data has to be moved between them. That is why it ranks fifth despite being the best pure webinar room here.

Pick it over Coachful if you run frequent public webinars where polls, automated replays and engagement analytics matter most, and you already have a client-delivery platform you are happy with. Many coaches pair a webinar room with a coaching platform rather than choosing one.

6. Practice Better: group sessions for practitioners who chart

Practice Better's homepage promoting practice management for wellness practitioners
Practice Better's homepage in October 2026.

Practice Better is practice management software for wellness practitioners, built with dietitians, nutritionists and functional medicine practitioners in mind. It has built-in telehealth from the client portal for one-to-one calls, and it handles group services and programs, with group video running through its Zoom integration. Recurring group sessions start on the Professional plan.

Its clinical depth is the reason a health coach with a nutrition credential might choose it: SOAP and other note formats, protocols, food and lifestyle journaling with barcode and photo entries, and Apple Health, Fitbit, Garmin and Oura sync. It states HIPAA, PIPEDA, PHIPA and GDPR compliance. If your webinar feeds a practice where you review food journals and coordinate with clinicians, that matters.

The marketing side is thin. Practice Better has no website builder or funnel pages, so the webinar registration page, the reminder emails and the replay page live in other tools. Fixed-date programs, payment plans and Zapier start on Professional; evergreen programs, portal branding, a custom URL and SMS start on Plus.

As listed in September 2026: Sprout is free for 3 clients; Starter is $35/mo ($25/mo annual) for 10 clients; Professional is $69/mo ($59/mo annual) for 300 clients; Plus is $99/mo ($89/mo annual) for unlimited clients; Team is $155/mo ($145/mo annual) for two practitioners. Add-ons such as AI Charting and ePrescribe cost extra. Reviewers on Capterra mention a learning curve and slower ticket-based support.

Pick it over Coachful if you work in a clinical or credentialed nutrition setting and need HIPAA-ready records, charting and wearable sync, and your webinars are a small part of a practice that runs on referrals.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

7. Systeme.io: the low-cost evergreen webinar funnel

Systeme.io's homepage promoting its all-in-one marketing platform
Systeme.io's homepage in October 2026.

Systeme.io is an inexpensive marketing suite with funnels, email, courses, a community, a blog and an affiliate program. Its "Webinar" plan adds evergreen (pre-recorded) webinars; live sessions use Zoom links. For a health coach who wants a recorded "5 habits for steady energy" talk running daily behind a registration page and an email sequence, it does that job for little money.

The economics are hard to beat. As listed in October 2026, the Free plan includes 2,000 contacts, 3 funnels and 1 course with no card required; Startup is $17/mo; Webinar is $47/mo with 10,000 contacts, 50 funnels and 20 courses; Unlimited is $97/mo. Systeme.io charges 0% transaction fees on all plans, including the free one. Trustpilot shows 4.9 from 8,696 reviews.

The trade-off is delivery. There is no native 1:1 scheduling with client records, no habits or check-ins, and no branded mobile app, and the community and course features are basic. After the evergreen webinar converts someone, a health coach needs somewhere else to deliver a 12-week habit program and hold weekly calls. Evergreen webinars also need care in health niches: presenting a recording as "live" can feel misleading, so label it honestly.

Pick it over Coachful if budget is the deciding factor, your offer is mostly self-paced, and an automated evergreen webinar funnel matters more to you than client delivery.

8. Paperbell: simple workshops for 1:1-focused coaches

Paperbell's homepage promoting a simple way to sell coaching online
Paperbell's homepage in October 2026.

Paperbell sells itself as the simple way to sell coaching online: a website, scheduling, payments, contracts and messaging in one tool. It has dedicated group coaching functionality covering group programs, workshops and live classes, with video through Zoom links rather than built-in rooms. A health coach could, for example, sell a "gut reset workshop" as a package, collect payment and send the Zoom link automatically.

Booking is solid: time-zone detection, appointment gaps and reminders, plus a client portal with history, shared notes and messaging. Contracts are part of the checkout flow. For a coach whose webinars are small paid workshops that lead to 1:1 packages, it covers the essentials with little setup.

The limits show once you think beyond the session. Paperbell has no courses or LMS, no community, and no goal or habit tracking, and packages deliver content and worksheets rather than structured multi-week programs. There is no native mobile app. Email marketing usually lives in a separate tool, so the webinar follow-up sequence is another subscription. Its own FAQ says it is not HIPAA compliant.

As listed in September 2026, there is one paid tier at $97/mo or $970/yr, per coach, with unlimited clients and a 0% platform fee (Stripe or PayPal fees apply). A free trial and a 30-day money-back guarantee are offered. Trustpilot shows 3.9 from 13 reviews. Our Paperbell alternatives page compares it with similar tools.

Pick it over Coachful if you sell 1:1 packages and occasional paid workshops, want very little to configure, and do not need habits, check-ins, courses or a community.

9. Podia: sell the webinar like a product

Podia bundles a website, courses, community, coaching, downloads, webinars and email marketing, and it is easy to set up. Webinars are a product type, so a health coach can sell a "meal prep for busy parents" webinar, then sell the replay as a download once it is over. Live events use your own Zoom or Google Meet link; there is no built-in video.

For a small health coaching business, Podia's simplicity is its selling point. Reviewers repeatedly praise its support, and every plan includes unlimited customers. A coach can put the replay, a short course and a community space into one bundle without learning a funnel builder.

The constraints are email and delivery. As listed in September 2026, Mover is $49/mo ($42/mo annual) with a 5% Podia transaction fee and email for up to 100 subscribers; Shaker is $99/mo ($84/mo annual) with 0% fee and 500 subscribers; Earthquaker is $179/mo ($150/mo annual) with 1,000 subscribers. Webinars grow lists quickly, and subscribers beyond the included number are billed extra, so a health coach running monthly workshops can outgrow the email allowance fast. There is no native scheduling, no habits or check-ins and no mobile app.

Pick it over Coachful if you are a creator-coach with a small list who mainly sells digital products and the occasional live webinar, and you value an easy setup over client delivery.

10. ClickFunnels: webinar funnels built for paid traffic

ClickFunnels is a funnel builder first, and public reviewers rate its funnel and upsell checkout as among the strongest available. A health coach running ads to a "reverse your afternoon crash" webinar can build the registration page, confirmation page, replay page and order form with an upsell, then deliver through ClickFunnels' courses or community. Live webinar video runs through Zoom or Meet links via integrations; there is no built-in video.

It suits coaches whose growth plan is paid traffic and who think in funnels. As listed in September 2026, Launch is $97/mo ($81/mo annual) with 10,000 contacts, 50,000 emails a month, 2 team members and 3 courses; Scale is $197/mo; Optimize $297/mo; Dominate is annual-only at $5,997/yr. ClickFunnels takes 0% commission on sales.

For health coaching, the gaps are significant: no 1:1 client admin such as contracts, invoices or intake, and no program or habit delivery. Reviewers describe community, appointments and CRM as shallow compared with dedicated tools, and some report bugs, slow loading and a difficult cancellation flow with a paid pause plan. Its help center says the 14-day trial charges the card on file at the end if not cancelled.

Pick it over Coachful if you run paid ads into webinar funnels with upsells at volume, have a team to manage it, and deliver your coaching through another platform.

11. Kartra: marketing automation with hosted video

Kartra's homepage promoting its all-in-one marketing suite
Kartra's homepage in October 2026.

Kartra is an all-in-one marketing suite covering pages, funnels, email and SMS, memberships, calendars, video hosting and a helpdesk. Webinar video goes through its Zoom integration, and Kartra hosts recorded video for replays and membership lessons. For a health coach with a sizeable list, the appeal is automation: tag registrants by what they asked about (sleep, digestion, stress), then send each group a different follow-up.

As listed in October 2026, Essentials is $59/mo ($52/mo annual) with 500 contacts, 5 pages, 1 product and a 5% transaction fee; Starter is $119/mo ($99/mo annual) with 2,500 contacts, unlimited pages and unlimited email and SMS at 0% fee; Growth is $229/mo; Professional is $549/mo. A 14-day trial and a 30-day money-back guarantee are offered. A webinar campaign can exhaust 500 contacts quickly, so most coaches would land on Starter.

What is missing for health coaching is client delivery: no habits, check-ins or per-client coaching plans, and no mobile app for students or admins. Funnels and memberships built in Kartra are not portable to other platforms, which matters if you might switch later. Trustpilot shows 3.2 from 129 reviews.

Pick it over Coachful if you are an established creator with a large list who wants detailed marketing automation and SMS around webinars, and you deliver programs mostly as membership content.

12. GoHighLevel: agency-grade automation, metered by usage

GoHighLevel's homepage promoting its marketing CRM for agencies and businesses
GoHighLevel's homepage in October 2026.

GoHighLevel (HighLevel) is an agency-first marketing CRM with funnels, websites, calendars, SMS and email, invoicing, contracts, courses and communities, organized around sub-accounts. Webinar sessions use auto-created Zoom and Google Meet links; there are no built-in video rooms. Its automation builder can run a full webinar campaign, from registration to SMS reminders to a booking link.

For a multi-location wellness brand or a health coach with a marketing agency running their funnels, that power is real. For a solo coach, it is a lot of tool. There is no habit tracking, no client check-ins and no structured program or task engine; those would have to be simulated with workflows and forms.

As listed in October 2026, Starter is $97/mo ($80.83/mo annual) with 3 sub-accounts; Unlimited is $297/mo; Agency Pro $497/mo. SMS, email, phone and AI usage are metered on top, so a webinar campaign with SMS reminders adds variable cost. HIPAA is a $297/mo add-on, not included on the standard plans. A 14-day trial bills automatically at the end unless cancelled. Trustpilot shows 4.9 from 15,250 reviews.

Pick it over Coachful if you run a wellness brand with an agency or in-house marketer, need sub-accounts and heavy automation, and are prepared to build client delivery yourself or use another tool for it.

What will a webinar setup cost at 5, 15 and 40 clients?

Client count matters because a health coach's webinar fills a program, and most tools price on something else: contacts, hosts, products or seats. The table below uses each vendor's listed monthly price for the plan that fits, and names the extra tools you would still need for a webinar-to-program journey (not priced here, because they vary by choice).

Notes: Podia's 5% fee on Mover makes Shaker the sensible choice once you sell regularly. Kartra's Essentials plan ($59/mo, 500 contacts, 5% fee) is usually too small once a webinar list grows. Prices are monthly billing unless marked annual, as listed in October 2026 or September 2026, and exclude payment processing.

How does a health coach set up a webinar-to-program funnel in Coachful?

A laptop with check-in flows and a phone with habit tracker cards on a morning kitchen counter
Coachful's coaching flows library with morning and evening check-ins on the laptop and a client's habit tracker on the phone.

Here is a worked example. The coach is a fictional sleep and energy coach planning a free 60-minute workshop called "The Calm Evening Reset" that leads into an 8-week group program. All names and numbers are illustrative.

  1. Request the build (optional). From Create > We'll build it for you, describe the workshop, the program and your brand colors, attach your logo and a photo, and add links to two sites whose style you like. The Coachful team builds the funnel, event and emails in your account, usually within about 24 hours, leaving gaps for anything only you can supply.
  2. Create the registration funnel. Start from a lead-magnet funnel template. Ask three registration questions: main sleep challenge, typical bedtime, and "Are you currently working with a doctor about your sleep?" Add a line under the form: "This workshop is education, not medical advice."
  3. Set the live event. Schedule the workshop as a group call or webinar using built-in video, or let Coachful create a Zoom, Meet or Teams link if your audience prefers it.
  4. Write the email sequence. Use a multi-step sequence: confirmation on sign-up, reminder the day before, reminder an hour before, replay the next morning, then two value emails and an invitation to book a call. Branch on whether the person attended. Michelle can draft the copy from your outline.
  5. Post the replay. Upload the recording as a video resource and link it in the replay email and your community, so registrants who missed it still reach the program invitation.
  6. Open a discovery-call booking page. Add availability rules, a 15-minute buffer and intake questions on booking. Send a coaching agreement with e-signature to anyone who joins, before the first call.
  7. Build the 8-week program. Set weekly goals (screen-off time, a consistent wake time, a morning walk), daily tasks, a habit tracker and morning and evening check-ins. Start from one of the more than 40 program templates if you like.
  8. Let the cohort form itself. When participants enroll, Coachful creates the cohort group automatically. Schedule weekly group calls for the eight weeks inside the same calendar.
  9. Watch the client list. Each week, check who is thriving, active, quiet or at risk, and message the quiet ones before they drop out.

Everything above happens in one account, and clients see one branded app for the replay, the program, the check-ins and the community. For more on the delivery side, see our guide to group coaching software, and for the email side, the roundup of email marketing platforms for health coaches.

What mistakes do health coaches make with webinars?

  • Answering medical questions live. When an attendee asks whether to stop a medication or what a lab value means, the right answer is "please ask your doctor." Prepare that sentence in advance and keep the Q&A on habits.
  • Collecting health data on a marketing form. Registration questions should help you teach, not build a medical history. Keep diagnoses and lab results out of webinar forms, and remember that general coaching platforms, including Coachful, are not HIPAA-certified.
  • Making outcome promises. "Lose 10 pounds in 14 days" titles attract the wrong people and invite complaints. Promise a skill or a routine instead.
  • Buying a 1,000-seat room for 40 people. Most health coaching workshops are small. Pay for the follow-up, not the empty seats.
  • Treating the replay as an afterthought. Many registrants watch later or never. Send the replay quickly and put the program invitation next to it.
  • Ending the journey at the call. If the program has no daily habits or check-ins, the energy from the webinar fades by week two. Plan between-session delivery before you plan the slides.
  • Stitching five tools together. Each hand-off between a webinar room, an email tool, a scheduler and a program app is a place where registrants fall out. Fewer tools usually means fewer lost leads.

Which webinar platform should a health coach choose?

Choose Coachful if your webinars exist to fill programs where clients build habits between sessions: it is the only option here that covers the registration funnel, live group call, email follow-up, discovery-call booking, contracts, habit-based program, check-ins and community under one login, and the free white-glove build can set up the first funnel for you. Choose Kajabi if you sell several courses to an existing audience and want built-in video with breakout rooms. Choose Circle or Mighty Networks if a paid community is the business. Choose Demio if you need a dedicated webinar room with polls and automated replays and already have a delivery platform. Choose Practice Better if you work in a clinical nutrition setting that needs HIPAA-ready records.

Whichever tool you pick, keep the scope line visible, refer out when symptoms come up, and plan the eight weeks after the webinar as carefully as the hour of the webinar itself. If you coach in other areas too, our guides to webinar platforms for life coaches and course platforms for health coaches cover related decisions.

Frequently asked questions

Do health coaches need a dedicated webinar tool?

Usually not. Most health coaching workshops have dozens of attendees, and a platform with group calls, funnels and email covers them. A dedicated tool such as Demio earns its place when you run frequent public webinars and want polls, automated replays and engagement analytics.

Can I run a health coaching webinar on Zoom alone?

You can run the live session on Zoom, but Zoom does not handle the registration funnel, follow-up emails, discovery-call booking or the program afterwards. Several platforms here, including Coachful, create Zoom links automatically so you keep the familiar room and add the rest of the journey.

Is Coachful HIPAA-compliant for health coaching webinars?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical records or insurance billing. It suits coaching, which is education and behavior change, not treatment; keep clinical records in a clinical system.

What is Coachful's free white-glove service?

It is a build service included on every plan. You describe what you want, such as a webinar registration funnel, an event, an email sequence or a program, attach up to 8 links and 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include recording videos, logo design or ad management.

Should my webinar be live or evergreen?

Live works better for trust and Q&A, which matters in health topics where people want to ask about their own routines. Evergreen (pre-recorded) webinars, offered by tools such as Systeme.io and Demio, save time once a talk converts well. If you use one, label it as a recording rather than presenting it as live.

What should I say when attendees ask medical questions?

Thank them, explain that coaching does not cover diagnosis or medication, and suggest they raise it with their doctor. If someone describes red-flag symptoms such as chest pain, fainting or thoughts of self-harm, direct them to urgent medical help and follow up privately.

How many people attend a typical health coaching webinar?

We have no reliable industry figure to share, and it depends heavily on your list and promotion. Size your room to your registrations: a 50-person room, such as Demio's Starter plan, fits many solo coaches.

Can I charge for a health coaching webinar?

Yes. Paid masterclasses work well for specific topics such as menopause sleep or meal prep. Coachful takes payments through your own Stripe Connect or Razorpay account with a 0% platform fee; Paperbell, Podia, Kajabi and others also sell workshops directly.

What happens to webinar attendees after the session in Coachful?

They stay in your email list and sequence, can book a discovery call on your booking page, and if they enroll in a program they join an automatically created cohort group with daily habits and check-ins. Their client record holds intake answers, sessions, payments and progress.

Which platform is cheapest for a webinar funnel?

Systeme.io has the lowest listed entry price, with a free plan and a $47/mo Webinar plan for evergreen webinars, as listed in October 2026. The cheapest option overall depends on what else you must buy, so compare total stack cost rather than the webinar line alone.
