Kajabi vs Mailchimp for Coaches: 2026 Prices and Verdict

In the kajabi vs mailchimp decision, the short answer is this: Mailchimp is a low-cost email marketing tool that only handles your list, while Kajabi is a much pricier bundle of courses, community, website, funnels and email for selling knowledge products. Neither one runs the actual coaching: booking, contracts, client records and the work your clients do between sessions all sit outside both tools.
So the real question for a coach is not "which email tool is better" but "what does my whole client journey need, and what will it cost once every piece is paid for?" This guide compares the two on prices as listed in October 2026, contact limits, automation, payments and client experience. It then looks at Coachful as a third option, including the cases where it does not beat either one. We make Coachful, so we say plainly where Kajabi or Mailchimp is the better pick.
What is the short answer by use case?
Pick Mailchimp if you only need a newsletter for a small list on a tight budget; pick Kajabi if you sell courses and memberships to a large audience and want them under one roof. If you coach clients one to one or in programs, both leave gaps, and a coaching platform covers more of the work.
- You run programs, 1:1 or group coaching and want one login for everything: Coachful. Booking, payments, agreements, programs with habits and check-ins, courses, community, website, funnels and email sit in one membership.
- You have under 250 contacts and only send a monthly newsletter: Mailchimp Free works, with Mailchimp branding and no automation flows.
- You need advanced email segmentation, SMS marketing or transactional email at volume: Mailchimp Standard or Premium.
- You sell courses and memberships to thousands of buyers and want an app under your own brand: Kajabi, realistically on the Pro plan.
- You need a HIPAA-compliant clinical system: none of the three. Use a clinical practice tool.
How do Kajabi, Mailchimp and Coachful compare side by side?
The fastest way to see the difference is to line up what each tool actually covers for a coaching business.
Ranking criteria: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including a free white-glove build).
| Tool | Best for | Email marketing | Booking and client records | Courses and community | Between-session delivery |
|---|---|---|---|---|---|
| Coachful | Coaches who deliver programs and want one platform | Lists, broadcasts, multi-step sequences with branching and A/B splits | Booking pages, two-way calendar sync, client record with goals, notes and payments | Courses with drip, community feed, group chat, cohort groups | Habits, daily tasks, morning and evening check-ins, streaks, AI Coach |
| Kajabi | Course and membership creators with larger audiences | Unlimited marketing emails on every plan, capped by contacts | Contacts list; no per-client coaching plan | Courses (products) and communities, capped by plan | No habit tracking or daily check-ins |
| Mailchimp | Newsletters and email campaigns | Campaigns, automation flows, segmentation, A/B testing | None; needs separate tools via integrations | None | None |
Both Kajabi and Mailchimp are good at what they were built for. Kajabi was built to sell knowledge products. Mailchimp was built to send email. A coaching practice needs a third thing on top: a place where the client actually does the work, books the next call and signs the agreement.
What is Kajabi, and who is it built for?
Kajabi is a course, community, website, funnel and email platform for selling knowledge products. It suits creators who package expertise into courses and memberships and sell them to a growing audience.

On its October 2026 pricing page, Kajabi lists three public plans: Basic, Growth and Pro. Each plan includes unlimited funnels, landing pages and marketing emails, but caps products, contacts, communities, websites and admin users. Basic allows 5 products and 2,500 contacts with no AI credits. Growth raises that to 50 products and 25,000 contacts and adds an affiliate program. Pro allows unlimited products, 100,000 contacts, 3 communities and 3 websites; the comparison table shows the branded mobile app as Pro only.
For coaches, Kajabi's limit is in how it models coaching. It treats coaching as products and communities rather than per-client plans. There is no habit tracking and no daily client check-in, so the accountability layer of a program has to come from somewhere else. Our Kajabi review covers the rest of the platform in more depth.
What is Mailchimp, and who is it built for?
Mailchimp is an email marketing platform: newsletters, signup and popup forms, landing pages, automation flows and a basic website builder. It suits anyone who mainly needs to build and email a list, and its Free plan makes it the cheapest place to start.

Mailchimp renamed its Customer Journey Builder to "automation flows" in June 2025. Flows are where a coach would build a welcome or nurture sequence, and they are where the plans differ most. The Free plan has no automation flows at all. Essentials allows up to 4 steps per flow. Standard allows up to 200 flows with up to 200 steps each, plus branching, predictive segmentation, dynamic content and generative AI (Intuit Assist) at no extra cost.
What Mailchimp does not do matters just as much for a coach. It does not handle session booking, client records, coaching programs or payments for coaching. Its 300+ integrations let you connect those from other vendors, but each connection is another tool, another bill and another login for your client. We cover lighter email tools in Mailchimp alternatives for coaches.
How does pricing compare between Kajabi and Mailchimp?
Mailchimp starts far cheaper: its Free plan costs nothing for up to 250 contacts, and Standard starts at $20 a month for up to 500 contacts. Kajabi starts at $179 a month ($143 a month billed annually) for Basic. But Mailchimp only covers email, so the fair comparison is your whole stack, not one line item.

| Platform and plan | Monthly price | Billed annually | What the base price covers |
|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients | Flat monthly plans; lower plans cap clients, Pro is unlimited; booking, payments, programs, courses, community, website, funnels and email included in your Coachful membership |
| Mailchimp Free | $0 | $0 | 250 contacts, 500 sends a month (250 a day), 1 seat, no automation flows, Mailchimp branding |
| Mailchimp Essentials | $13 (0 to 500 contacts) | Not offered self-serve | 5,000 sends a month at 500 contacts, 3 seats, flows up to 4 steps |
| Mailchimp Standard | $20 (0 to 500 contacts) | Not offered self-serve | 6,000 sends a month at 500 contacts, 5 seats, 200 flows up to 200 steps |
| Mailchimp Premium | $350 (10,000 contacts) | Contact sales | 150,000 sends a month at 10,000 contacts, unlimited seats, phone support |
| Kajabi Basic | $179 | $143 a month | 5 products, 2,500 contacts, 1 community, 1 website, 2 admins, 0 AI credits |
| Kajabi Growth | $249 | $199 a month | 50 products, 25,000 contacts, 1 community, 11 admins, 500 AI credits |
| Kajabi Pro | $499 | $399 a month | Unlimited products, 100,000 contacts, 3 communities, 3 websites, 26 admins, 1,000 AI credits |
All vendor prices above are as listed in October 2026, in USD, before tax.

How Mailchimp's contact pricing works
Mailchimp prices every paid plan by contact tier. The base prices above cover 0 to 500 contacts on Essentials and Standard and 10,000 contacts on Premium; the price rises as your list grows, and paid plans bill overages if you exceed your contact or send limit. On the Free plan, sending pauses instead. One detail catches people out: a contact who sits in two audiences counts twice. If you keep separate audiences for leads and clients, consolidate them into one audience with tags.
There is no self-serve annual price on Mailchimp; annual plans for Standard and Premium at 10,000+ contacts go through sales. New customers with 10,000+ contacts get 15% off the first 12 months, and nonprofits get 15% off. Pay As You Go email credits exist as an alternative for people who send rarely.
How Kajabi's pricing and fees work
Kajabi's plans are flat but capped by contacts and products. Extra contacts cost $125 a month per 25,000, and an AI credit top-up of $15 for 500 credits is listed as coming. Kajabi also charges by payment method. Kajabi Payments in the US costs 2.9% + $0.30 on Basic, 2.8% + $0.30 on Growth and 2.7% + $0.30 on Pro. If you use another processor (PayPal excluded), Kajabi adds its own fee of 2% on Basic, 1% on Growth or 0.5% on Pro on top of that provider's fees. For a full breakdown, see our Kajabi pricing guide.
The stack cost that the sticker price hides
Mailchimp's low price is real, but it covers one job. A coach running on Mailchimp still needs a booking tool, a payment and invoicing setup, a way to send and sign agreements, somewhere to host program content, and something to track client progress. Each of those is a separate subscription. Kajabi covers more of the list (website, courses, community, checkout), but still not booking with client records, agreements or between-session accountability.
Here is an example, with illustrative numbers rather than quotes: a coach with 400 contacts on Mailchimp Standard pays $20 a month for email. Add a scheduling tool, a contract and e-signature tool and a course or client portal, and the monthly bill grows by several subscriptions, plus the time spent connecting them. Price your own stack line by line before you compare it with an all-in-one platform.
How do the features compare, one by one?
Kajabi wins on courses and community, Mailchimp wins on pure email depth, and neither has coaching-specific delivery. The sections below go feature by feature.
| Feature | Coachful | Kajabi | Mailchimp |
|---|---|---|---|
| Coachful at a glance | One platform for the full coaching journey | Knowledge-product platform | Email marketing platform |
| Email automation | Multi-step sequences with triggers, delays, branching, A/B splits | Marketing emails and automations; some locked during trial | Flows: none on Free, 4 steps on Essentials, 200 steps on Standard |
| Session booking | Booking pages, buffers, minimum notice, two-way Google, Apple and Outlook sync | Not covered on the pricing page we read | No |
| Payments | Your own Stripe Connect or Razorpay; 0% platform fee; no PayPal | Kajabi Payments, PayPal, others with a 0.5% to 2% surcharge | Not for coaching sales |
| Agreements and e-signature | Yes, sent before the first call and stored on the client record | Not listed | No |
| Courses | Modules, lessons, drip, completion tracking | Yes, 5 to unlimited products by plan | No |
| Community | Feed, group chat, DMs, video events, auto cohort groups | 1 to 3 communities by plan | No |
| Habits and check-ins | Yes, with streaks and progress bars | No | No |
| Website and funnels | Section-based site, blog, custom domain, booking and checkout funnels | 1 to 3 websites, unlimited funnels and landing pages | Basic site on a mailchimpsites.com address; custom domain needs a paid Websites plan |
| SMS | Session reminders by SMS and WhatsApp once messaging is enabled | Not listed | SMS/MMS marketing add-on in select countries |
| AI | Michelle assistant; builds use AI credits | 0 to 1,000 AI credits by plan | Intuit Assist on Standard and above |
| Free plan | No permanent free plan; a free trial | No; 14-day trial and 30-day money-back guarantee | Yes, up to 250 contacts |
Email marketing
Mailchimp has the deeper email toolkit. Standard adds custom reports, predictive segmentation, dynamic content and custom-coded templates, and Premium adds multivariate testing. Standard and Premium are also eligible for the Transactional Email add-on, priced from $20 per block of 25,000 emails. If email marketing is your main growth channel and your list is large, that depth is the reason to choose Mailchimp.
Kajabi includes unlimited marketing emails on every plan, so you are not counting sends, only contacts. The tradeoff is that the emails are one part of a bigger platform rather than a specialist tool. Kajabi's help center notes that some features, including bulk contact import, test emails and some automations, stay locked during the trial until a paid plan is active.
Whichever you use, follow the email rules where your list lives. In the US, the FTC's CAN-SPAM compliance guide sets out the basics such as a working unsubscribe and a physical address. In the EU, consent rules under the General Data Protection Regulation apply. If you are unsure how they apply to you, check with an attorney.
Courses and community
Kajabi is the clear winner over Mailchimp here, because Mailchimp has no courses or community at all. Kajabi's caps are worth reading closely: Basic allows 5 products and 1 community, which is fine for a signature course and a membership but tight for a growing catalog. Coachful includes courses with drip and completion tracking, plus a community feed and group chat, and creates a cohort group automatically when a client enrolls in a program. See courses for coaches for how those pieces fit.
Booking, agreements and client records
This is where both tools leave a coach on their own. Mailchimp does not do session booking or client records. Kajabi's pricing page does not list booking with availability rules, and it does not model a per-client coaching plan. Coaches on either one usually add a scheduling tool and a contract tool, then copy client details between them.
Websites and funnels
Kajabi includes 1 website on Basic and Growth (3 on Pro) and unlimited funnels and landing pages. Mailchimp's landing pages are free to all users and can use your own domain, while its website builder is free only on a mailchimpsites.com address; a custom domain for the site needs a paid Websites plan whose price was not shown on the pricing page in October 2026. If your website is your main sales tool, Kajabi or a coaching platform with a proper site builder is the safer pick. Our website builder for coaches page shows what that looks like in practice.
Free trials and getting your data out
Kajabi's standard trial is 14 days; a card is optional, and if you enter one Kajabi places an authorization hold and charges on the day the trial ends. Every plan has a 30-day money-back guarantee. Mailchimp offers a 14-day trial of Essentials or Standard to new customers in select countries, with payment details required at enrollment.
On exports, Mailchimp gives you an account ZIP (once per 24 hours) with audiences as CSV files, campaigns, reports and templates. Kajabi provides CSV exports for contacts, subscriptions, sales and members, while course content has to be downloaded asset by asset. Plan your exit before you sign up, especially on Kajabi.
What will your clients experience on each platform?
On Mailchimp, your client experiences you as an inbox: they receive emails and click links that lead to whatever other tools you use. On Kajabi, they get a members area for courses and community. Neither gives them one place for sessions, tasks, habits and messages with their coach.
That matters because coaching results come from what clients do between calls. A client on a Mailchimp stack might book through one tool, pay through another, open a course in a third and get reminders by email. Each step is a chance to drop off. A Kajabi client gets a tidier home for content, but the daily accountability (did they do the practice, how was their week) still lives in emails or spreadsheets.

In Coachful, the client has one branded home and app (your branding inside the Coachful app). Their next session, current program week, tasks, habits and check-ins sit together, and you see their status in the client record as thriving, active, quiet or at risk.

Which should you pick for which kind of coach?
Match the tool to how you deliver, not to which name is better known. Here is how the choice usually falls.
- New coach with a small list and a tight budget: Mailchimp Free can carry a newsletter while you find clients, but you will still need booking and payments. A coaching platform that includes both is usually simpler; see Coachful for new coaches.
- Course creator with a big audience: Kajabi fits, particularly Growth or Pro if you need many products, affiliates or a branded app.
- Email-first marketer with a large list: Mailchimp Standard or Premium, for segmentation, reports and SMS marketing.
- 1:1 or group program coach (life, health, business, career): both Kajabi and Mailchimp leave the delivery work to other tools; Coachful covers it in one place.
- Coach already on both: you may be paying Kajabi for courses and Mailchimp for email at the same time. Kajabi includes email, so that overlap is worth removing either way.

Is there a third option that beats both Kajabi and Mailchimp?
For coaches who deliver programs, yes: Coachful. It replaces Mailchimp's email and Kajabi's courses, community, website and funnels, and adds the coaching layer neither has. It does not beat them everywhere, and the limits are listed below.

What Coachful is and who it is for
Coachful is a coaching platform. One subscription covers booking, payments, coaching agreements with e-signature, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and Michelle, the built-in AI assistant. The coach has one login and the client has one branded app. It is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing four to six tools. Current plans: (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). The company is based in Tallinn, Estonia, and holds a Trustpilot score of 4.5 from 21 reviews.
How Coachful handles email
Coachful includes email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits, so a welcome series or nurture sequence does not need a separate email tool. Because email sits on the same records as bookings and payments, a sequence can follow what a person actually did, such as booking a call or buying a program. Michelle can draft the emails for you. Here is a short walkthrough of email inside Coachful:

For client updates specifically, our guide on sending client broadcasts without Mailchimp walks through the setup.
How Coachful replaces Kajabi's selling tools
The section-based website builder includes a blog, custom domain, SEO settings and 30 designed homepage templates. Booking, application, lead-magnet and checkout funnels support pixels and UTM tracking, and around 25 funnel templates give you a starting point. Payments run through your own Stripe Connect or Razorpay account with one-time payments, subscriptions, payment plans, order bumps and coupons, and Coachful charges a 0% platform fee (since August 2026), so you pay only Stripe or Razorpay processing. Our article on Coachful vs Kajabi for funnels and email compares the two in detail.

What Coachful adds that neither tool has
- Multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, progress bars and streaks.
- Booking pages with availability rules, buffers, minimum notice and time-zone detection, two-way Google, Apple/iCloud and Outlook sync, and built-in video or auto-created Zoom, Meet or Teams links.
- Coaching agreements with e-signature sent before the first call.
- A client record with goals, check-ins, habits, notes, intake answers, payments, sessions and an AI briefing before each session.
- ICF credential tracking that counts coaching hours and distinct clients against ACC, PCC and MCC thresholds.
- An AI Coach that selected clients can chat with between sessions, configured by you.

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you from Create > We'll build it for you: a website, funnel, sales page, program, course outline and written material, email sequence, lead quiz, automation and more. You describe what you want, attach up to 8 reference links and up to 10 files, and the team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One somatic coach leaving Kajabi had their homepage and About page rebuilt and the contact form connected. A leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. The service does not include recording videos, logo design, ad management or ongoing marketing. Read how the white-glove service works.

When Coachful does not beat Kajabi or Mailchimp
- You want to pay nothing indefinitely. Mailchimp's Free plan is an ongoing plan, not a trial; Coachful's plans are paid after the trial.
- Email marketing at scale is your whole business. Mailchimp's predictive segmentation, custom reports, transactional email and SMS marketing go further than a coaching platform's email.
- You need PayPal. Coachful has no PayPal; Kajabi supports it.
- You want your own App Store listing. Coachful's client app is your branding inside the Coachful app. Kajabi Pro supports a branded app for multiple brands.
- You sell to thousands of course buyers and want a course business, not a coaching practice. Kajabi is built for that shape.
- You need HIPAA compliance, Salesforce or HubSpot integration. Coachful is not HIPAA-certified and has no Salesforce or HubSpot integration.
How to start with Coachful
Start a free trial, then request a white-glove build of your website, first funnel or program. During onboarding, your clients, programs and content are imported for you, so moving off Kajabi or a Mailchimp stack does not mean rebuilding by hand. Monthly plans cancel in one click, and you can export your full client data as a ZIP at any time. If you are leaving Kajabi specifically, see the Kajabi alternative page; for a broader view, see coaching software.

What do public reviewers say about Kajabi and Mailchimp?
On Trustpilot, Kajabi scores 3.4 from 2,347 reviews (seen October 25, 2026) and Mailchimp scores 2.5 from 1,555 reviews (seen October 28, 2026). We have not tested either tool hands-on for this article; the figures and features here come from the vendors' own pricing and help pages and from those public review counts.
Review scores mix many kinds of users, from large ecommerce senders to solo creators, so treat them as a signal rather than a verdict. The more useful check is whether the plan limits fit your list size, product count and delivery style today and in a year.
How do you decide in five minutes?
Answer three questions and the choice usually becomes clear.
- Do clients do work between sessions? If yes, you need habits, tasks and check-ins, which neither Kajabi nor Mailchimp provides.
- How many tools would you run? Count booking, payments, agreements, email, courses, community and website. If Mailchimp is one of six logins, the cheap email plan is not the real cost.
- Is your business courses at volume or coaching relationships? Courses at volume point to Kajabi. Coaching relationships point to a coaching platform.
Frequently asked questions
Is Kajabi better than Mailchimp for coaches?
Kajabi does more than Mailchimp, because it adds courses, communities, a website and funnels on top of email. It also costs far more, from $179 a month as listed in October 2026. For coaches who deliver programs, neither covers booking, agreements or between-session accountability, so a coaching platform is often the better fit.
Can I use Kajabi and Mailchimp together?
You can, but Kajabi already includes unlimited marketing emails on every plan, so most coaches would be paying twice for email. The usual reason to keep both is a large Mailchimp list with advanced segmentation that you do not want to move yet. Plan to consolidate once you have tested Kajabi's email on your own sequences.
Is Mailchimp free for coaches?
Mailchimp's Free plan covers up to 250 contacts and 500 sends a month (250 a day), with one seat and one audience. It has no automation flows and keeps Mailchimp branding on emails and forms. Once you need a welcome sequence, you need a paid plan, and Standard is the one with multi-step flows.
Does Kajabi have a free plan or trial?
Kajabi has no free plan. Its help center lists a 14-day trial with an optional card, and every plan carries a 30-day money-back guarantee. Some features, such as bulk contact import and test emails, stay locked until a paid plan is active.
Which is cheaper for a coach with 2,000 contacts?
Mailchimp is cheaper for email alone, since Kajabi Basic starts at $179 a month. Mailchimp's price above 500 contacts depends on its contact-tier calculator, so check the exact figure for your list. Remember to add the cost of booking, payments and course tools that Mailchimp does not include.
Does Kajabi charge transaction fees?
Kajabi Payments in the US charges 2.9% to 2.7% plus $0.30 depending on plan. Using a processor other than Kajabi Payments or PayPal adds a Kajabi fee of 2% on Basic, 1% on Growth or 0.5% on Pro, on top of the provider's fees.
Can Coachful replace both Kajabi and Mailchimp?
For most coaching practices, yes. Coachful includes email lists, broadcasts and branching sequences, plus courses, community, a website, funnels, booking, payments and program delivery in one membership. It is not the right fit if you need PayPal, a permanent free plan, HIPAA compliance or high-volume email marketing tools such as transactional email.
What is Coachful's free white-glove service?
Every Coachful plan includes a free white-glove build: you describe a website, funnel, program, email sequence or other asset, attach references, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design, ad management or ongoing marketing.
How do I move my list from Mailchimp or Kajabi?
Mailchimp exports an account ZIP with audiences as CSV files, and Kajabi exports contacts, subscriptions, sales and members as CSV. Export subscribed contacts with their consent status so you keep only people who agreed to hear from you. If you move to Coachful, clients, programs and content are imported for you during onboarding.
Is either platform suitable for health coaches handling medical information?
Coaching is not medical treatment, and clinical records belong in a clinical system. Coachful is not HIPAA-certified, and if you handle protected health information you should confirm any vendor's HIPAA terms before storing it there. If a client describes symptoms or conditions outside your scope, refer them to a doctor or licensed provider.
