Paperbell vs Acuity (2026): Which Fits Your Coaching?

Paperbell vs Acuity (2026): Which Fits Your Coaching?

Paperbell vs Acuity comes down to one question: do you need a coaching back office or a booking calendar? Paperbell is a single-plan coaching tool ($97 a month, or $970 a year, as listed in October 2026) that bundles scheduling, packages, payments, contracts, a client portal and a simple website. Acuity Scheduling is an appointment scheduler that starts at $20 a month and adds packages, text reminders and more calendars as you move up its tiers. If you sell coaching packages and want one place for the paperwork, Paperbell fits better. If you mostly need clients to book and pay for sessions, Acuity costs far less.

Both tools stop at roughly the same point, though: neither runs multi-week programs with habits and daily check-ins, and neither gives clients a native app. That is where a third option comes in. We make Coachful, so we cover it at the end and say plainly when it beats both and when it does not. Everything about Paperbell and Acuity below comes from their own pricing pages as listed in October 2026, from our September 2026 profiles, and from public review sites. We have not run a hands-on test of either; we report what each vendor documents and what public reviewers say.

What is the short answer for Paperbell vs Acuity?

Pick Paperbell if you sell coaching packages and want contracts, payments and a client portal in one login. Pick Acuity if you mainly need a reliable, low-cost booking page with intake forms and payments, and you are happy to run everything else in other tools.

Here is the same answer by use case:

  • New coach selling a few 1:1 sessions: Acuity Starter at $20 a month ($16 billed annually) covers booking, intake forms and card payments. Paperbell's $97 covers far more than you need at this stage.
  • Coach selling 3-month or 6-month packages: Paperbell. Packages, contracts and payments are built around this exact sale, and every feature is in the single plan. On Acuity, packages need Standard ($34 a month), and contracts need a separate e-signature tool.
  • Practice with several practitioners: Acuity. Standard covers up to 6 calendars and Premium up to 36. Paperbell is priced per coach.
  • Practice that needs a HIPAA business associate agreement: Acuity Premium lists a HIPAA BAA. Paperbell's pricing page does not.
  • Coach who wants a simple website with booking built in: Paperbell includes a coaching website. Acuity does not have a website builder.
  • Coach who delivers programs between sessions (habits, check-ins, courses, a community): neither. Read the third option section below.

How do Paperbell and Acuity compare side by side?

Paperbell is wider and more expensive; Acuity is narrower, cheaper and stronger on multi-calendar scheduling. The table puts Coachful first because our criteria favour it: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort with a free white-glove build.

Acuity SchedulingSession booking, multi-practitioner calendars$20/month ($16 billed annually)Booking page only; no client portalNot includedNo website builderNo

The pattern in the table is the real decision. Paperbell tries to be the whole admin side of a coaching business for one coach. Acuity does one job, booking, and does it across many calendars. Neither one covers what happens between calls.

How much do Paperbell and Acuity cost?

Paperbell has one plan at $97 a month or $970 a year, with every feature and unlimited clients. Acuity has three self-serve tiers from $20 to $69 a month, with a 20% saving on annual billing, plus an Enterprise tier priced by sales.

Paperbell shows its annual price of $970 against $1,164 (twelve months at $97) with a "2 Mo Free!" label. It states there are no upsells or hidden add-ons and no additional transaction fees from Paperbell; Stripe or PayPal processing fees still apply. It offers a 30-day money-back guarantee. The pricing page has a "Try For Free" button but does not state a trial length; Paperbell's help center in July 2026 described a 7-day trial during which your public site stays offline and client messages and SMS are switched off.

Acuity offers a 7-day free trial on every plan with no credit card, and you are not charged until you choose a plan. Prices exclude tax. Acuity does not list its own fee on payments; the processing rates of your Stripe, Square, PayPal or Venmo account apply. In October 2026 Premium rose from $61 to $69 a month ($49 to $55 billed annually) and gained the AI Booking Assistant. For the full tier breakdown, see our Acuity Scheduling pricing guide.

What does a year actually cost?

The sticker price is only half the story, because Acuity covers less of the job. The yearly figures below use the listed prices; the right-hand column names what you would still need to buy or build elsewhere.

SetupYearly cost (monthly billing)Yearly cost (annual billing)Still missing

Acuity Standard (packages)$408$324Contracts, client portal, website, email marketing
Acuity Premium (HIPAA BAA)$828$660Contracts, client portal, website, email marketing

A coach selling packages on Acuity Standard pays $324 to $408 a year for scheduling, then adds an e-signature tool, a website and an email tool. Whether that ends up cheaper than Paperbell depends on what those tools cost you; add up your own quotes before deciding. The honest summary: Acuity is cheaper if you only need booking, and Paperbell becomes good value once you would otherwise pay for three or four extra tools.

How does booking and scheduling compare?

Acuity is the stronger scheduler: more calendars, text reminders, a waitlist, gift certificates, memberships and an AI Booking Assistant on Premium. Paperbell's scheduling is built for one coach selling packages, and it covers that well without the depth of a dedicated scheduler.

Acuity has been a scheduling product from the start and is owned by Squarespace. Every plan includes unlimited services and appointments, custom intake forms, email reminders and time zone conversion. Standard adds text reminders and a waitlist, which matter if you run a busy calendar with frequent cancellations. Premium adds multiple time zones, custom CSS and an API for coaches who want to change how the booking page looks and behaves, plus the option to hide the Acuity footer. Our Acuity Scheduling review goes deeper on what coaches report.

Paperbell's scheduling sits inside its package flow. A client buys a package and books the sessions that come with it, with video call integration for the meeting link. Paperbell is priced per coach, so a practice with several coaches pays for each one separately, while one Acuity Standard account covers up to 6 calendars and Premium up to 36.

For a solo coach, both handle the basics. The deciding factors are text reminders (Acuity from Standard) and how many people share the calendar. If you are weighing other dedicated schedulers too, our Acuity vs Calendly comparison covers that pairing.

How do packages, payments and invoices compare?

Paperbell is built around coaching packages and includes them in its single plan; Acuity offers packages and memberships only from Standard upward. On payment processors, Acuity accepts more options: Stripe, Square, PayPal and Venmo, against Paperbell's Stripe and PayPal.

Paperbell's core idea is that a coach sells a package (for example, six sessions over three months) and the client pays, signs and books in one flow. Its pricing page lists payments and packages, digital downloads and online classes among the included features. Paperbell states no additional transaction fees of its own.

Acuity's Starter plan takes payment for individual appointments. Packages (a bundle of sessions bought up front), memberships (recurring access) and gift certificates arrive on Standard. That covers most session-selling patterns, but it is still a booking-first flow: the client buys time on your calendar, not a coaching engagement with paperwork attached.

If you take payments through Venmo or Square, Acuity is the only one of the two that supports them. If you rely on PayPal, both do.

Which handles contracts, intake forms and client records better?

Paperbell, clearly. It includes contracts, forms and session notes in the same account as the client's bookings and payments. Acuity offers custom intake forms on every plan but has no contracts, no notes area of the kind coaches keep, and no client portal.

For coaches, the coaching agreement is not optional paperwork; it sets scope, confidentiality and cancellation terms before the first session. The International Coaching Federation's Code of Ethics expects coaches to agree the terms of the relationship with clients up front. In Paperbell, the contract is part of the purchase. With Acuity you would send it from a separate e-signature tool and file the signed copy yourself.

Acuity's intake forms are capable, and they run before each booking, which suits practitioners who need the same questions every visit. Client and appointment data exports to CSV from the admin (September 2026 profile). Paperbell keeps client history in its Clients area; our September 2026 profile did not verify a documented CSV export, so check this during your trial if portability matters to you. Our guide on how to migrate from Paperbell covers what to save before you switch.

What about HIPAA?

Acuity lists a HIPAA business associate agreement on Premium ($69 a month, $55 billed annually). Paperbell's pricing page does not list one. If you are a licensed clinician keeping protected health information, that is a hard requirement, and Acuity Premium or a dedicated clinical system is the right call. Coaching is not treatment: health and wellness coaches support behaviour change, and anyone describing symptoms, a diagnosis or a mental health crisis should be referred to a doctor or licensed professional.

Can either one run your website, email and group programs?

Paperbell can, at a basic level: it includes a coaching website, email workflows and group coaching. Acuity cannot: it has no website builder, no email marketing and no group program delivery beyond booking classes into the calendar.

Paperbell's website is a simple coaching site connected to your packages, not a full site builder. We cover what you get in detail in our Paperbell website guide. Its group coaching handles selling a group package and scheduling the calls; our look at Paperbell group coaching explains where it stops. Our September 2026 profile recorded no full course builder (LMS), no community and no goal or habit tracking, though the pricing page now lists online classes and digital downloads.

Acuity assumes your website lives somewhere else and sends clients to its booking page from there. Email marketing, a community, courses and programs all live in other tools.

Paperbell's homepage and Acuity Scheduling's homepage side by side on two monitors.

What do your clients experience in each tool?

An Acuity client sees a booking page, an intake form and reminder emails, then hears from you elsewhere. A Paperbell client gets a client portal in the browser where they can see packages, sessions and files. Neither gives clients a native mobile app.

For a client who books occasional sessions, Acuity's experience is clean and familiar: pick a time, answer the questions, pay, get reminders. Nothing more is expected, and nothing more is offered. Between sessions, your contact with them runs through email or whatever messaging tool you use.

Paperbell gives the client one place to log in. They buy a package, sign the contract, book sessions and find shared files in the portal. It is a tidier experience than stitching tools together. The limit is that the portal is an admin space, not a coaching space: per our September 2026 profile there is no habit tracking, no daily check-in, no community feed, and on a phone it runs in the mobile browser.

That gap matters more than it seems. Most coaching results happen between sessions, when a client is meant to practise something, track it and stay accountable. If your method relies on that, both tools leave you sending reminders by hand.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

Which should you pick for your kind of coaching?

Match the tool to how you sell and deliver. Session sellers fit Acuity, package sellers fit Paperbell, and program deliverers fit neither.

  • Pick Acuity if you sell single sessions or simple packs, already have a website, want the lowest monthly cost, need several practitioner calendars, need text reminders and a waitlist, take Venmo or Square, or need a HIPAA BAA (Premium).
  • Pick Paperbell if you are a solo coach selling packages, want contracts and payments in the same checkout, want a simple website included, prefer one flat price with no tiers, and do not need habits, check-ins or a community.
  • Pick neither if your coaching runs as multi-week programs with daily or weekly work, you want clients in a branded app, or you are about to add courses, a group community or email marketing. Both would leave you adding three or four more tools.

Public review scores are close and modest for both. On Trustpilot in October 2026, Paperbell held 3.5 from 14 reviews and Acuity held 3.6 from 687 reviews. Paperbell's sample is small, so treat its score as a weak signal. Is there a third option that replaces both Paperbell and Acuity?

Yes. Coachful covers what Paperbell does (booking, packages, payments, contracts, a website) and what neither tool does (programs with habits and check-ins, courses, a community, email marketing and a branded client app), under one subscription. It is our product, so here is the case for it and the cases against it.

What Coachful is. Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs and not just sessions, for solo coaches growing into a small team, and for coaches replacing 4 to 6 tools. The company is based in Tallinn, Estonia, and holds a 4.5 Trustpilot rating from 21 reviews.

Booking that matches Acuity's basics

Coachful's booking pages include availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync. Sessions get built-in video or an automatically created Zoom, Meet or Teams link. Email reminders are standard, with SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled. You can sell paid sessions and session credits, ask intake questions at booking, and on team plans assign multi-coach session types by round robin or least-busy. Here is a short walkthrough:

Payments and contracts that match Paperbell

Payments go through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax, with an invoice per transaction plus manual invoices. Coachful charges a 0% platform fee (since August 2026), so you pay only Stripe or Razorpay processing. Coaching agreements with e-signature go out before the first call and are stored on the client record.

What happens between sessions

This is the part neither Paperbell nor Acuity covers. In Coachful you build multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. The client sees it all in their branded home and app, next to their sessions and documents. Each client record collects goals, check-ins, habits, notes, intake answers, tags, payments and sessions, and flags clients as thriving, active, quiet or at risk so you know who to contact first.

Courses (modules, lessons, drip and completion tracking), downloads and events are delivered in the same place. A community feed, group chat, direct messages and video events sit alongside them, and cohort groups are created automatically when a client enrols in a program. Website, email and the AI assistant

The website builder is section-based, with a blog, custom domain, SEO settings, 30 designed homepage templates and an Import website option. Booking, application, lead-magnet and checkout funnels support pixels and UTM tracking. Email lists, broadcasts and multi-step sequences run with triggers, delays, branching and A/B splits. Michelle, the built-in AI assistant, works from your live practice data: she builds programs, drafts emails, summarizes recorded sessions and briefs you before each call. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits.

When Coachful beats both

  • You deliver programs with work between sessions: habits, check-ins, goals, courses or a community.
  • You want clients in one branded app instead of a booking page plus emails, or a browser portal.
  • You are paying for, or about to pay for, a scheduler, an e-signature tool, a website, an email tool and a course platform separately.
  • You are a solo coach planning to add coaches: team plans (Studio and Agency) add seats with per-coach availability and staff permissions.
  • You are working toward an ICF credential: ICF hour tracking counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports a client coaching log.

When Coachful does not beat them

  • You need a HIPAA BAA. Coachful is not HIPAA-certified and does not sign BAAs. Acuity Premium does.
  • You take PayPal, Venmo or Square. Coachful supports Stripe and Razorpay only. Acuity supports all four; Paperbell supports PayPal.
  • You only need a booking page. If you sell occasional sessions and run nothing between them, Acuity Starter is cheaper and does exactly that.
  • You need routing forms that pick a host from form answers. Coachful does not have them.
  • You want your client app under your own App Store account. Coachful's client app ships under the Coachful listing with your branding.

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you. From Create > We'll build it for you, you describe what you want: a website, funnel, sales page, program, course outline, email sequence, form, link in bio and more. You can attach up to 8 reference links and up to 10 files such as logos, photos and brand guides. The team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Another, a business mentor for beauty professionals, got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. Read more about the free white-glove build service.

What Coachful does not do

Beyond the points above, Coachful has no permanent zero-cost tier, no Garmin, Fitbit, Whoop or Oura sync, no multi-stage sales deal board for large teams and no Salesforce or HubSpot integration. It is not a course marketplace, not a general website builder for non-coaching sites, and it has no third-party plugins. Its affiliate program tracks links, clicks, conversions and revenue, but payouts are recorded manually rather than sent by Coachful.

How to start

Coachful runs on flat monthly plans: lower plans cap the number of clients, Pro is unlimited, and team plans add seats (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). There is a free trial, and monthly plans cancel in one click. During onboarding your clients, programs and content are imported for you, and you can request the free white-glove build on day one. How do you switch from Paperbell or Acuity without losing clients?

Export first, move active clients next, and keep the old tool running until the last booked session has passed. That order protects both your records and your calendar.

  1. Export your data. From Acuity, export clients and appointments to CSV. From Paperbell, save client lists, signed contracts, notes and files from the Clients area, and confirm which export options your account shows.
  2. Pause new bookings on the old tool once your new booking page is live, but honour sessions already booked.
  3. Move active clients first. Send each one a short note with the new booking link and what changes for them.
  4. Re-sign agreements for new packages in the new system, so the signed copy sits on the client record.
  5. Cancel the old subscription after the last session and final payments have cleared.

For a step-by-step version, read client scheduling without Acuity or our Paperbell migration guide. If you move to Coachful, clients, programs and content are imported for you during onboarding.

Frequently asked questions

Is Paperbell or Acuity cheaper?

Acuity is cheaper on paper: Starter is $20 a month ($16 billed annually) against Paperbell's $97 a month or $970 a year, as listed in October 2026. Acuity covers only scheduling, though, so once you add contracts, a website and email tools, the gap narrows. Price your full stack before comparing.

Does Paperbell have better scheduling than Acuity?

No. Acuity is the deeper scheduler, with up to 36 calendars, text reminders and a waitlist on higher tiers, and an AI Booking Assistant on Premium. Paperbell's scheduling is designed around selling packages for one coach and covers that case well.

Can I use Paperbell and Acuity together?

You could, but it rarely makes sense, because Paperbell already includes scheduling. Running both means paying for two calendars and keeping client data in two places. Most coaches choose one, or replace both with a single platform.

Which one sells coaching packages?

Both, in different ways. Paperbell includes packages in its single plan and ties them to contracts and payments. Acuity adds packages, memberships and gift certificates from its Standard plan ($34 a month, or $27 billed annually).

Is Acuity or Paperbell HIPAA compliant?

Acuity lists a HIPAA business associate agreement on its Premium plan. Paperbell's pricing page does not list one. Coachful is not HIPAA-certified either, so clinicians who keep protected health information should use Acuity Premium or a clinical system.

Do Paperbell or Acuity have a mobile app for clients?

Neither has a native client app. Paperbell's client portal runs in the mobile browser, and Acuity clients use the booking page and reminder emails. Coachful gives clients an app carrying your branding inside the Coachful app.

Do Paperbell and Acuity offer free trials?

Acuity offers a 7-day free trial on every plan with no credit card. Paperbell's pricing page shows a "Try For Free" button without a stated length; its help center described a 7-day trial in July 2026, and Paperbell also offers a 30-day money-back guarantee.

What is Coachful's free white-glove service?

On every Coachful plan, you can request a build from Create > We'll build it for you, such as a website, funnel, program or email sequence, and attach reference links and files. The team builds it inside your account, usually within about 24 hours, without inventing credentials, testimonials or prices. It does not cover video recording, logo design or ad management.

Which is better for a new coach?

If you only need people to book and pay for sessions, Acuity Starter is the lowest-cost start. If you want contracts, payments and a simple website from day one, Paperbell covers that in one plan. If you plan to run programs, starting on a platform built for them, such as Coachful, saves a migration later; see our guide for new coaches.

Can I move my clients from Paperbell or Acuity to another tool?

Yes. Acuity exports clients and appointments to CSV. With Paperbell, save your client data and signed contracts from the Clients area and confirm the export options in your account. Coachful imports clients, programs and content for you during onboarding.
