Acuity vs Calendly: Which Scheduler Fits Coaches in 2026?

In the acuity vs calendly decision, the short answer for most coaches is this: pick Calendly if you want the simplest booking link, a usable plan at no cost and polished team routing; pick Acuity Scheduling if you sell packages, memberships or gift certificates, want detailed intake forms on every booking, or need a HIPAA business associate agreement. Both are schedulers first and last. Neither holds your client notes, programs, habits, check-ins or coaching agreements, which is where most coaches end up paying for three or four more tools.
This guide compares the two on what matters to a coaching practice: price at one coach and at three, intake and payments, reminders, the client's experience, and data export. All vendor prices and features are as listed on each company's pages in October 2026. We make Coachful, a coaching platform that includes scheduling, so at the end we cover it as a third option, including the cases where it is the wrong pick.

Acuity vs Calendly: what is the short answer by use case?
The right pick depends on how you sell coaching. If clients book single calls, Calendly is the lighter tool; if clients buy bundles of sessions and fill in forms first, Acuity fits better.
- You only need a booking link for discovery calls: Calendly. Its Free plan gives you one event type and one calendar connection, which covers a single "free consult" link.
- You sell 6 or 12 session packages: Acuity Scheduling. Packages, memberships and gift certificates are listed on its Standard plan; Calendly's pricing page does not list session packages.
- You want a detailed intake questionnaire before the first call: Acuity, which lists custom intake forms from its cheapest plan. Calendly offers booking questions, which work for short screening but not a full intake.
- You run a sales-led team with lead routing and Salesforce: Calendly Teams. Routing, round-robin and Salesforce meeting sync are core to that plan.
- You are a health or wellness coach who needs a BAA: Acuity Premium is the plan that lists a HIPAA BAA. Calendly's plan list does not include a BAA.
- You run multi-week programs and want clients to log habits and check-ins between sessions: neither. That is a coaching platform job, covered in the third-option section below.
If you already know you want to leave both, our guides to Calendly alternatives for coaches and Acuity alternatives for coaches rank the wider field.
How do Acuity and Calendly compare side by side?
On features alone, Acuity covers more of the paid-session workflow and Calendly covers more of the team and sales workflow. We rank the three options below by what a coaching practice needs most: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including a free white-glove build where one exists).
| Tool | Best for | Booking and reminders | Intake and payments | Between-session delivery | Starting price |
|---|---|---|---|---|---|
| Coachful | Coaches who deliver programs, not just sessions | Booking pages, two-way Google, Apple and Outlook sync, email reminders, SMS and WhatsApp once messaging is enabled | Intake questions on booking, e-signed agreements, Stripe or Razorpay payments, payment plans | Programs, habits, check-ins, goals, courses, community, client app with your branding | Lite: $29/month for up to 5 clients |
| Acuity Scheduling | Paid sessions, packages and detailed intake | Email reminders on Starter; text reminders and waitlist from Standard | Custom intake forms; Stripe, Square, PayPal and Venmo | None | $16/month billed annually, $20 billed monthly |
| Calendly | Simple booking links and sales teams | Automations and reminders from Standard; one calendar on Free, up to six on Standard | Booking questions; Stripe and PayPal from Standard | None | $0 (Free plan); $10 per seat per month billed annually for Standard |
A note on ownership: Acuity Scheduling is owned by Squarespace, which matters if you already run your site there. Calendly's higher tiers lean toward sales teams, with Notetaker and Callie features sold as higher tiers.

How much do Acuity and Calendly cost for a coach?
For a solo coach, Calendly is cheaper: $0 on Free or $10 per month on Standard billed annually, against $16 to $20 per month for Acuity's Starter. For a small team, Acuity becomes cheaper, because it prices by calendar bands while Calendly charges per seat.
| Plan | Billed annually (per month) | Billed monthly | Main limits | What it adds |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients | Flat monthly plans; lower plans cap clients, Pro is unlimited, team plans add coach seats | Scheduling, payments, agreements, programs, courses, community, website, email and AI assistant in one membership | |
| Acuity Starter | $16 | $20 | 1 calendar | Unlimited services and appointments, payments, email reminders, intake forms |
| Acuity Standard | $27 | $34 | Up to 6 calendars | Text reminders, waitlist, packages, memberships, gift certificates |
| Acuity Premium | $55 | $69 | Up to 36 calendars | AI Booking Assistant, HIPAA BAA, hide Acuity footer, custom API and CSS |
| Acuity Enterprise | Contact sales | Contact sales | Unlimited calendars | Account management, more APIs, central dashboard |
| Calendly Free | $0 | $0 | 1 event type, 1 calendar connection | Customizable booking page |
| Calendly Standard | $10 per seat | Not shown on the page | Up to 6 calendar connections | Unlimited event types, reminders, Stripe and PayPal, HubSpot and Mailchimp |
| Calendly Teams | $16 per seat (down to $12 at 301+ seats) | Not shown on the page | Per seat | Round-robin, routing, managed event types, Salesforce sync |
| Calendly Teams Plus | $24 per seat | Not shown on the page | Per seat | Teams plus Notetaker and Callie |
| Calendly Enterprise | From $15,000 per year | Not shown on the page | 50-seat minimum, USD only | SSO, audit logs, Microsoft Dynamics, dedicated support |
Calendly's page shows only the annual-billing figures today (Standard is labelled "Save 17%" and Teams "Save 20%"), so month-to-month prices are higher than the numbers above. Acuity's annual billing saves 20%, and its prices exclude tax.

What does a year cost in practice?
These worked examples use the October 2026 list prices and annual billing. They are illustrations, not quotes.
- Solo coach, discovery calls only: Calendly Free at $0 a year. Acuity has no free plan, so the floor is Starter at $192 a year ($16 times 12).
- Solo coach selling packages with text reminders: Acuity Standard at $324 a year. Calendly Standard is $120 a year but does not list packages or memberships, so you would sell bundles elsewhere and track credits by hand.
- Three coaches sharing a booking page: Calendly Teams at $16 times 3 seats times 12 months, which is $576 a year. Acuity Standard covers up to six calendars for $324 a year, so a three-coach practice pays less on Acuity.
Neither figure is the full cost of running a coaching business. Add a contract and e-signature tool, a place to deliver programs or courses, an email platform and possibly a website builder, and the scheduler becomes the smallest line in the stack. Our separate breakdowns of Calendly pricing and Acuity Scheduling pricing go plan by plan.

Which has better booking and calendar features?
Calendly is quicker to set up for a single link and stronger for teams; Acuity has more controls for appointment businesses. Both handle the basics well: availability, time-zone conversion and calendar conflict checks.
Calendly's free tier connects one calendar, and Standard raises that to six calendar connections with unlimited event types. That matters for coaches who keep a personal and a work calendar, because a booking link that cannot see your personal calendar will happily book over your dentist appointment. Calendly's team features, including round-robin assignment, lead qualification and routing, and managed event types, start on Teams.
Acuity counts calendars rather than calendar connections. Starter covers one calendar, Standard up to six and Premium up to 36. Standard adds a waitlist, which helps coaches whose popular slots fill weeks ahead. Premium adds multiple time zones and custom CSS for the booking page.
On AI, the two are heading in different directions. Calendly sells Notetaker and Callie (an email scheduling assistant, still labelled beta on Standard) on its Plus tiers. Acuity's Premium plan adds an AI Booking Assistant. Neither is a coaching assistant: they help get meetings booked or recorded, not prepare you for a client or track their progress.
Which handles intake forms and payments better?
Acuity is stronger on both. It lists custom intake forms on every plan and accepts four payment processors, while Calendly offers booking questions and two processors, and only from Standard.
For a coach, intake is where the relationship starts. Acuity lets you build a proper questionnaire into the booking: goals, background, what the client has tried, and any consent statements you want acknowledged. Calendly's booking questions are fine for "What would you like to focus on?" but thin for a full intake. If you use Calendly, most coaches send a separate form after booking, which is one more link clients may ignore.
On payments, Acuity connects to Stripe, Square, PayPal or Venmo from Starter. Calendly connects to Stripe or PayPal from Standard. Neither lists its own fee on top of the processor's rates, which is better than some booking tools that keep a 1% cut. Acuity also sells packages, memberships and gift certificates on Standard, so a client can buy six sessions once and book them over time. Calendly takes payment per booking.
Neither tool sends coaching agreements for e-signature, issues invoices for a program, or tracks a payment plan for a three-month engagement. Those still need another product.
How do reminders and no-show prevention compare?
Both send email reminders; text reminders are where the plans differ. Acuity lists email reminders on Starter and adds text reminders on Standard. Calendly lists automations and reminders from its Standard plan.
For coaches, reminders do most of the no-show work. A good default is an email 24 hours before and a text one to two hours before the call. On Acuity that means Standard at $27 a month billed annually. On Calendly, check the workflow options on the plan you choose, because automations are not listed on the Free plan.
What is the client experience like on each?
For the client, both tools feel similar at the moment of booking and then disappear. The client picks a time, answers questions, perhaps pays, and receives a confirmation and calendar invite. After the call there is nowhere to go back to.
Small differences show up in branding. Acuity's footer is hidden only on Premium, so Starter and Standard booking pages carry Acuity's name. Calendly's booking page is customizable on every plan, including Free. Public reviewers on Trustpilot rate Calendly 4.1 from 714 reviews and Acuity 3.6 from 687 reviews, as listed in October 2026, which is a rough signal rather than a verdict. Our Calendly review and Acuity Scheduling review summarize what reviewers praise and complain about.
The bigger gap is what neither offers: a client home. There is no place for the client to see their goals, last session's notes, homework, habits or next steps. Coaches using either scheduler usually bolt on a client portal, a shared document or a messaging app to fill that hole.
How do data export and switching costs compare?
Both let you leave without much pain, because a scheduler holds little client history. Calendly exports scheduled events to CSV, and your bookings already live in your connected calendar and payments in your own Stripe or PayPal. Acuity exports clients and appointments to CSV from the admin.
The switching cost grows with what else you build on top. If you sell Acuity packages, clients with unused sessions need to be honored somewhere else, so keep a list of remaining credits before you move. Our guides on scheduling without Acuity and scheduling without Calendly walk through a clean switch.
Which should you pick for your kind of coaching?
Match the tool to how clients buy from you and what happens after the call. Here is how the decision usually lands by coaching type.
| Coaching practice | Better pick | Why |
|---|---|---|
| Coachful (any coach running programs) | Coachful | Booking, payments, agreements, programs, check-ins and the client app in one login, priced flat per month (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients) |
| New coach booking free consults | Calendly | Free plan covers one event type and one calendar |
| Life or career coach selling session packages | Acuity Scheduling | Packages and memberships on Standard; intake forms on every plan |
| Executive or business coach in a sales-led firm | Calendly | Routing, round-robin and Salesforce sync on Teams |
| Health or wellness coach needing a BAA | Acuity Scheduling | HIPAA BAA listed on Premium |
| Small practice with two to six coaches | Acuity Scheduling | Up to six calendars on one Standard plan instead of per-seat pricing |
A note for health coaches: coaching is not medical treatment, and a scheduler with a BAA does not change that. If a client reports symptoms, medication questions or signs of an eating disorder, refer them to a licensed clinician. The U.S. Department of Health and Human Services publishes sample business associate agreement provisions if you are unsure whether you need one; check with an attorney where your situation is unclear.

Is there a third option that beats both?
Yes, if your coaching continues between calls. Coachful is a coaching platform where scheduling is one part of the client journey rather than the whole product, and it is the option we recommend for coaches who deliver programs. We make it, so weigh that, and read the section on when it is the wrong choice.

What Coachful is and who it is for
Coachful is one subscription covering booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login; the client has one app carrying the coach's branding inside the Coachful app. It is built for coaches who deliver programs rather than single sessions, solo coaches growing into a small team, and coaches replacing four to six separate tools. The company is based in Tallinn, Estonia, and is rated 4.5 on Trustpilot from 21 reviews.
How Coachful's scheduling compares with Acuity and Calendly
Scheduling covers what most coaches use in either tool. Booking pages have availability rules, buffers, minimum notice and time-zone detection. Calendars sync two ways with Google, Apple/iCloud and Outlook. Each session gets built-in video or an auto-created Zoom, Google Meet or Teams link. Reminders go out by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. You can charge for sessions, sell session credits, ask intake questions at booking, and assign multi-coach session types by round-robin or to the least busy coach.

Here is a short walkthrough of scheduling in Coachful.
The scheduling software page lists every booking setting, and the Calendly vs Acuity comparison page and Coachful vs Calendly page set the features out side by side.
What happens before and after the call
This is where Coachful does work neither scheduler attempts. A prospect who books a discovery call lands in Intakes, where you see upcoming calls and conversion. Coaching agreements with e-signature go out before the first call and stay on the client record. Payments run through your own Stripe Connect or Razorpay account, with one-time charges, subscriptions, payment plans, coupons, refunds, Apple Pay and Google Pay, and an invoice per transaction. Coachful takes a 0% platform fee (since August 2026), so you pay only the processor's rates.

After the call, the client opens their coaching hub and sees their next session, pre-session tasks, programs, progress and documents. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. On your side, each client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, and a status of thriving, active, quiet or at risk, so you can see who is drifting before they cancel.

Michelle, the built-in AI assistant, works from that live practice data: it briefs you before sessions, summarizes recorded sessions, drafts emails and builds programs. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. Coaches pursuing ICF credentials also get ICF hour tracking against ACC, PCC and MCC thresholds.
Why Coachful stands out: a free white-glove service
Why Coachful stands out: a free white-glove service. On every plan, you can open Create, choose "We'll build it for you · FREE", describe what you want, and attach up to 8 reference links and up to 10 files such as logos, photos, brand guides and copy. The Coachful team builds it inside your own account, usually within about 24 hours: a website, funnel, sales page, program, course outline, coaching flow, intake form, email sequence or link in bio. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing.

Recent builds give a sense of scope. A leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. A business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up guide funnel and rewritten follow-up emails. A menopause and midlife health coach starting from nothing got a five-page site in sage and cream where every button leads to a free 20-minute consultation. More detail is in our post on the free white-glove service. During onboarding, your clients, programs and content are imported for you too.
When Coachful does not beat Acuity or Calendly
Be honest with yourself about these, because they are real reasons to stay with a scheduler.
- You need a HIPAA BAA. Coachful is not HIPAA-certified and does not sign a BAA. It is not for clinical records or insurance billing. Acuity Premium lists a BAA.
- You take PayPal, Venmo or Square. Coachful supports Stripe and Razorpay only. Acuity supports all four of PayPal, Venmo, Square and Stripe; Calendly supports PayPal and Stripe.
- You only want a booking link and pay nothing. Calendly's Free plan does that. Coachful has a free trial but no permanent plan at zero cost.
- You run a sales team that routes leads by form answers. Coachful has no routing forms that choose a host from answers and no Salesforce or HubSpot integration. Calendly Teams is built for this.
- You want clients to install an app under your own name in the App Store. Coachful's client app ships under the Coachful listing with your branding inside.
If none of those apply and you deliver more than single sessions, the total stack usually favors one platform over a scheduler plus four other subscriptions. Start with a free trial, then request a white-glove build. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. Coaches newer to the business can also look at the guide for new coaches, and practices with several coaches at Coachful for teams.
Frequently asked questions
Is Acuity or Calendly better for life coaches?
For a life coach selling packages of sessions with an intake questionnaire, Acuity Scheduling fits better because packages, memberships and intake forms are part of its plans. For a life coach who mostly books free discovery calls, Calendly's Free plan is enough. If you run programs with homework between calls, a coaching platform such as Coachful covers what both schedulers leave out.
Is Calendly cheaper than Acuity?
For one coach, yes: Calendly Standard is $10 per month billed annually against $16 for Acuity Starter, and Calendly has a Free plan. For a small team, Acuity is usually cheaper because its Standard plan covers up to six calendars for $27 per month billed annually, while Calendly Teams charges $16 per seat.
Does Acuity have a free plan?
No. Acuity Scheduling offers a 7-day free trial on every plan with no credit card required, as listed in October 2026, and you are not charged until you choose a plan. After the trial, Starter is the lowest paid tier.
Does Calendly have a free trial?
Calendly's pricing page did not state trial terms when we checked in October 2026. The company has previously offered a 14-day Teams trial without a card that drops back to Free afterwards, so check the current offer at signup.
Can I sell coaching packages with Calendly?
Calendly's pricing page lists Stripe and PayPal payments per booking, but not session packages or memberships. Acuity Standard lists packages, memberships and gift certificates. Coachful supports paid sessions, session credits and payment plans through your own Stripe or Razorpay account.
Which one is HIPAA compliant?
Acuity lists a HIPAA BAA on its Premium plan. Calendly's plan list does not include a BAA. Coachful is not HIPAA-certified, so clinical records belong in a clinical system, and coaching itself is not medical treatment.
Can I move from Acuity to Calendly, or the other way?
Yes. Both export appointment data to CSV, and your bookings already sit in your connected calendar. Before you switch, list clients with unused package sessions and future bookings, and give them the new link with a short note.
What is Coachful's free white-glove service?
On every Coachful plan, you can ask the team to build a website, funnel, program, course outline, form, email sequence or similar inside your account, usually within about 24 hours. You attach references and files; they build without inventing credentials, testimonials or prices. It excludes video recording, logo design, ads and ongoing marketing.
Does Coachful replace Acuity or Calendly completely?
For most coaches, yes: booking pages, calendar sync, reminders, video links, paid sessions and intake questions are included in your Coachful membership. It does not replace them if you need PayPal or Venmo, a HIPAA BAA, or Salesforce routing for a sales team.
