Top 10 Acuity Alternatives for Coaches: Ranked and Reviewed

Choosing between acuity alternatives for coaches comes down to one question: do you only need people to book time with you, or do you need to run the whole coaching relationship around those bookings? Acuity Scheduling is a capable appointment tool. It handles booking pages, intake forms, packages and reminders. It stops at the calendar, though, so coaches who sell programs end up adding a contract tool, a client portal, a course host, a community and an email platform around it.
Our pick is Coachful, which puts booking, payments, agreements, programs with habits and check-ins, courses, community and a website behind one login, with one branded app for your clients. We make Coachful, so weigh that, and read the limits we list for it as closely as the strengths. If all you want is a cheaper or simpler booking link, Calendly, Setmore or TidyCal will do that job, and we rank them honestly below.
This guide covers what coaches actually need from a replacement, a ranked table, ten short reviews, a feature matrix, a cost table at 5, 15 and 40 clients, and a step-by-step setup. If you are still deciding whether to leave at all, our Acuity Scheduling review and Acuity pricing breakdown go deeper on the tool itself.

What do coaches actually need from an Acuity replacement?
Coaches need more than a booking page. A coaching week mixes discovery calls, paid sessions, follow-up between sessions and admin, and Acuity covers only the first two well.
Here is what Acuity offers, as listed on its pricing page in October 2026:
- Starter, $20/month ($16 billed annually): one calendar, unlimited services and appointments, Stripe, Square, PayPal and Venmo payments, email reminders, custom intake forms and time zone conversion.
- Standard, $34/month ($27 annually): up to 6 calendars, text reminders, a waitlist, packages, memberships and gift certificates.
- Premium, $69/month ($55 annually): up to 36 calendars, an AI Booking Assistant, a HIPAA business associate agreement, the option to hide the Acuity footer, multiple time zones, and custom API and CSS.
- Enterprise: unlimited calendars, contact sales.
Every plan has a 7-day free trial without a card, and Acuity, which is owned by Squarespace, holds a Trustpilot score of 3.6 from 687 reviews (seen 25 October 2026). Acuity has no client portal for programs, habits, check-ins or messaging, and no courses, community, website builder or email marketing. That gap is the reason most coaches start looking.
Map your own client journey before you compare tools. For most coaches it looks like this:
- Discovery. A prospect finds you, books a free call and answers a few intake questions.
- Commitment. They sign a coaching agreement and pay, often for a package or a payment plan.
- Sessions. They book recurring calls, get reminders and join a video link.
- Between sessions. They work on habits, tasks, worksheets and check-ins, which is where most of the change happens.
- Group work. Many coaches add a cohort, a group call or a community alongside 1:1 work.
- Renewal and records. You review progress, offer the next package and, if you are working toward an ICF credential, log your hours.
Acuity handles steps one and three. A replacement that only handles those same steps changes your booking page and little else.
Scope and compliance. Coaching is not therapy or medical treatment. If a client describes symptoms of a mental health condition, an eating disorder or a medical problem, refer them to a licensed professional and say so in your agreement. If you are a licensed clinician who stores clinical records or bills insurance, you need a tool that signs a business associate agreement under HIPAA. Acuity offers one on Premium and Setmore lists one on Pro. Coachful is not HIPAA-certified and does not sign one, so it is built for coaching, not clinical practice.

Which Acuity alternatives are worth a look, at a glance?
Ten tools made the list. Prices are as listed by each vendor in October 2026, billed monthly unless noted.
Ranking criteria: one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including Coachful's free white-glove build).
| Tool | Rank | Best for | Starting price | Biggest gap for a coaching practice |

| HoneyBook | 2 | Proposal, contract and invoice workflows | $29/month billed annually (scheduler starts on Essentials, $59/month) | No programs, habits, courses or community |
| Dubsado | 3 | Automated paperwork with PayPal or Square | $35/month (scheduler starts on Premier, $55/month) | No website, email marketing or client delivery |
| Calendly | 4 | A familiar booking link | Free; Standard $10/seat/month billed annually | Scheduling only |
| Paperbell | 5 | Solo coaches selling packages | $97/month ($970/year) | No habit tracking, courses or community |
| Practice Better | 6 | Wellness and nutrition practitioners | Free for 3 clients; Starter $35/month | No website; programs and SMS gated by tier |
| CoachAccountable | 7 | Accountability-heavy 1:1 coaching | $20/month for 2 active clients | Price climbs with every active client |
| Setmore | 8 | Low-cost booking with SMS | Free; Pro $12/user/month ($5 annually) | No client delivery |
| TidyCal | 9 | The cheapest paid booking link | Free (1% Stripe fee); Pro $12/month | No client delivery |
| GoHighLevel | 10 | Agencies and SMS-heavy marketing | $97/month | No habits or check-ins; usage billed on top |
How did we choose and rank these tools?
We ranked each tool by how much of a real coaching week it could carry, then by what that would cost. To keep it concrete, picture an example practice: a coach with 15 one-to-one clients on three-month packages and one group program of 10 people meeting weekly.
On Acuity alone, that coach needs Standard for packages and text reminders. Agreements then live in a separate e-signature tool, homework goes out by email, the group meets in a separate community app, and the sales page sits on a website builder. Each of those is another login for the coach and, often, for the client.
So the four criteria were:
- One login for the whole journey. Can a client go from booking a discovery call to finishing a program without leaving one place?
- Between-session delivery. Does the tool carry habits, tasks, check-ins and group work, or only the appointment?
- Total stack cost. What does the tool cost at 5, 15 and 40 clients, and what else would you still have to buy?
- Setup effort. How long until you are taking bookings and running a program, and does anyone help you set up?
We did not run hands-on tests of every tool. Prices, limits and features come from each vendor's pricing page and documentation, checked on 25 October 2026 unless noted, and ratings come from Trustpilot on the same date. Where a fact comes from an older vendor profile, we date it to September 2026.
1. Why is Coachful our top Acuity alternative for coaches?
Coachful replaces Acuity's booking and then carries everything after the booking: payments, agreements, programs, habits, check-ins, courses, community, your website and email. For a coach who sells programs, that can replace four to six separate tools.
What Coachful is, in one paragraph. Coachful is a coaching platform with one subscription for booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login and the client gets one app under the coach's branding. It is built for coaches who deliver programs rather than single sessions, solo coaches growing into a small team, and coaches replacing a pile of tools. It does not handle clinical records or insurance billing, is not HIPAA-certified, does not take PayPal and has no permanent free plan. To start, take a free trial and ask the team to build your setup for you through the free white-glove service described below.
Booking is the part that replaces Acuity directly. Coachful's booking pages support availability rules, buffers, minimum notice and time-zone detection, with two-way sync for Google, Apple/iCloud and Outlook calendars. Each session gets a built-in video room or an auto-created Zoom, Meet or Teams link. Clients get email reminders, plus an SMS 24 hours before and a WhatsApp message one hour before once messaging is enabled. You can sell paid sessions or session credits, ask intake questions at booking, and assign multi-coach session types by round-robin or to the least busy coach. The scheduling software page has the full list.

This short walkthrough shows how session types, availability and reminders are set up:
The bigger difference is what happens between calls. Coachful runs multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Each client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with a status of thriving, active, quiet or at risk, so you can see who is slipping before the next call. Michelle, the built-in AI assistant, works from that live data to brief you before sessions, summarize recorded sessions, draft emails and build programs. If you want it, Michelle also gives private feedback on your own coaching against ICF Core Competencies 3 to 8. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits.

On the client side, everything sits in one branded home: the next session, the current program week, the worksheet due before the call, habits and progress. You can also configure an AI Coach, an AI version of you that selected clients can chat with between sessions.

Money and paperwork run through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax, with an invoice per transaction and manual invoices when you need them. Since August 2026 Coachful takes a 0% platform fee, so you pay only Stripe or Razorpay processing. Coaching agreements go out for e-signature before the first call and are stored on the client record (see coaching contracts).

Beyond 1:1 work, Coachful includes courses with modules, drip and completion tracking, a community feed with group chat and video events, and cohort groups created automatically when someone enrolls in a program, which matters for anyone running group coaching. There is a section-based website builder with 30 designed homepage templates, booking, application, lead-magnet and checkout funnels, and email lists with multi-step sequences. Coaches working toward a credential can let ICF hour tracking count coaching hours and distinct clients against ACC, PCC and MCC thresholds and export an ICF client coaching log.
Why Coachful stands out: a free white-glove service. On every plan, you can open Create, choose We'll build it for you, and describe what you need: a website, a funnel, a sales page, a program, a course outline, an email sequence, a form, a coaching flow or something else. Attach up to 8 reference links and up to 10 files such as logos, photos, brand guides or existing copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Another, a menopause and midlife health coach starting from nothing, got a five-page site in sage and cream with every button leading to a free 20-minute consultation. The service does not cover recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

Where Coachful falls short. It is not HIPAA-certified and does not sign a business associate agreement, so licensed clinicians needing one should look at Acuity Premium, Setmore Pro or a practice-management tool. It has no PayPal. The client app ships under the Coachful listing with your branding, not under your own App Store account. There are no routing forms that pick a host from form answers, no Salesforce or HubSpot integration, and no permanent free plan. Its Trustpilot score is 4.5 from 21 reviews, a much smaller sample than the scheduling tools below.
Price. Plans are flat monthly; lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. Monthly plans cancel in one click.
2. HoneyBook: can a client CRM stand in for Acuity?
For coaches whose work runs on proposals, contracts and invoices, mostly yes. HoneyBook is a client-management CRM for service businesses, and its scheduler can replace Acuity's booking page once you are on the right plan.
As listed in October 2026, Starter costs $29/month billed annually (the monthly-billed price for Starter is not shown) and includes unlimited clients and projects, two live lead forms, invoices and payments, proposals and contracts, a calendar, a client portal and HoneyBook AI. The scheduler, automations, SMS reminders and QuickBooks Online start on Essentials at $59/month or $49 billed annually, with up to two team members. Premium is $129/month ($109 annually) for unlimited team members. The page also runs time-limited discounts, so check what you are actually quoted.
Payments run only through HoneyBook's own processing. The pricing page lists card rates inconsistently (2.7% + 10¢ in the FAQ, 2.9% + 25¢ in the plan comparison), with ACH at 1.5%. There is a 30-day free trial without a card and a 60-day money-back guarantee. HoneyBook holds 4.1 on Trustpilot from 748 reviews.
The limits for coaches are about delivery. HoneyBook has no programs, courses, habits, check-ins or community, so between-session work still lives somewhere else. Contacts export to CSV, but smart files and templates are not portable in a reusable format (older vendor profile, September 2026). Our HoneyBook alternatives guide covers it in more depth.
Pick it over Coachful if most of your revenue comes from custom proposals to businesses and you deliver the coaching itself in sessions, with little structured work between them.
3. Dubsado: the workflow tool for coaches who live in forms
Dubsado suits coaches who want every form, contract and invoice to fire automatically in sequence. It is a client workflow CRM rather than a scheduling tool, and the scheduler sits on its higher plan.
Prices listed in October 2026 for new subscribers: Starter is $35/month ($335/year) with unlimited clients and projects, one active lead-capture form, invoicing, contracts and a client portal, but no scheduler and no automated workflows. Premier is $55/month ($525/year) and adds the scheduler, automated workflows (Flows), a bookkeeping integration, public proposals and Zapier. Up to three additional team members are included. The trial runs 21 days with full Premier access and no card.
Payment flexibility is a real strength: Dubsado Payments (built on Stripe, with cards, ACH, Klarna, Affirm and Tap to Pay), PayPal and Square. There is no Dubsado platform fee stated. Trustpilot shows a single review, which tells you nothing either way.
Dubsado says itself that it does not build websites and is not an email marketing platform. It also has no courses, client community, habits or check-ins, and its mobile app is a companion, so full use needs the desktop web app. For an Acuity refugee, that means you swap one booking tool for a booking-plus-paperwork tool and keep the rest of your stack.
Pick it over Coachful if your clients pay by PayPal or Square and your priority is an automated paperwork chain, not program delivery.
4. Is Calendly the simplest swap?
For pure booking, it is. Calendly does the same core job as Acuity with a booking link many prospects already recognize, and nothing more for coaches.

As listed in October 2026, the Free plan allows one event type, one calendar connection and 1:1 scheduling. Standard costs $10 per seat per month billed annually; the monthly-billed price was not shown on the pricing page. It adds up to six calendar connections, unlimited event types, automations and reminders, HubSpot and Mailchimp, and Stripe and PayPal payments. Teams is $16 per seat per month billed annually and adds round-robin scheduling, lead qualification and routing, and managed event types. Calendly charges no fee of its own on payments; your Stripe or PayPal rates apply. Trial terms were not stated on the pricing page that day. Trustpilot: 4.1 from 714 reviews.
What you do not get: client records, notes, programs, habits or check-ins, intake questionnaires beyond booking questions, contracts or invoicing. Because it is priced per seat, each coach on a team pays separately. If you are weighing these two directly, see Calendly vs Acuity and our Calendly alternatives for coaches.
Pick it over Coachful if you only need a booking link, already run delivery in tools you are happy with, or need routing forms that send a prospect to a specific coach based on their answers.
5. Paperbell, the one-price coaching admin tool
Paperbell is the closest direct substitute on this list for a solo coach who sells packages. One plan covers booking, payments, contracts and a client portal, which already reaches past what Acuity does.

There is one plan, listed at $97/month or $970/year in October 2026, with unlimited clients, sessions, files and packages. It includes a coaching website, scheduling, payments and packages, a client portal, contracts, email workflows, forms, group coaching, video call integration, notes, digital downloads, online classes and custom branding. Paperbell says there are no upsells and no additional transaction fees; Stripe and PayPal fees apply (vendor profile, September 2026). The pricing page shows a Try For Free button without a stated trial length and a 30-day money-back guarantee. Trustpilot: 3.5 from 14 reviews.
Where it stops: as of our September 2026 profile, Paperbell has no full course platform, community, or goal and habit tracking, and no native mobile app, so clients use a mobile browser. Its single price is per coach, which is simple at any roster size but does not get cheaper when you are small. The Paperbell alternatives roundup has more detail.
Pick it over Coachful if you want PayPal checkout and a single flat plan for package-based 1:1 coaching, and you do not run habits, check-ins or a community between sessions.
6. What does Practice Better offer wellness coaches?
Practice Better is practice-management software for wellness and nutrition practitioners, combining scheduling with telehealth, charting and programs. If your work looks more like a clinic than a coaching business, it fits better than Acuity.

Its tiers, as listed in October 2026, are client-capped. Sprout is free for 3 clients and one practitioner. Starter is $35/month ($25 annually) for 10 clients, with scheduling, telehealth video, billing, secure messaging, a client portal, forms and note templates. Professional is $69/month ($59 annually) for 300 clients and adds group scheduling, fixed-date programs, deposits and payment plans. Plus is $99/month ($89 annually) with unlimited clients, evergreen programs, portal branding, a personalized URL and 750 SMS a month. Team starts at $155/month ($145 annually) for two practitioners. Add-ons include an AI Charting Assistant from $10 per practitioner per month and SMS at 5¢ per text. Trials run 14 days (30 on Team). Trustpilot: 3.8 from 87 reviews.
The catch is that useful features are spread across tiers: evergreen programs, branding and SMS wait until Plus. There is no website builder or funnel pages (vendor profile, September 2026), and accounts below Team have one practitioner. See our Practice Better alternatives for more.
Pick it over Coachful if you chart sessions like a clinical practitioner and want telehealth, charting and practice billing in one system.
7. CoachAccountable and paying per active client
CoachAccountable is a coaching back office built around accountability: sessions, action plans, metrics, worksheets, courses, invoicing and agreements. It replaces Acuity's booking and adds a lot of structure, but its pricing scales with your roster.
Every plan has the full feature set with unlimited coaches and admins; only active clients change the price. As listed in October 2026: 2 clients cost $20/month, 5 cost $40, 10 cost $70, 20 cost $120, 35 cost $200, 50 cost $250 and 100 cost $400. There is no annual discount. The trial is 30 days, no card, no limits. Trustpilot: 4.8 from 47 reviews, the strongest score among the coaching-specific tools here.
Limits worth knowing (vendor profile, September 2026): no native mobile app, no landing pages, website or marketing automation, and, by its own statement, it is not HIPAA compliant. Large group programs get expensive because every participant counts as an active client. On the plus side, each client's full coaching history can be exported from the Clients tab. Our CoachAccountable alternatives piece compares it further.
Pick it over Coachful if you keep a small 1:1 roster, value detailed metrics and worksheets above everything else, and want unlimited coach logins for associates.
8. Setmore for low-cost booking with text reminders
Setmore is a straightforward appointment app with a generous free tier. As a like-for-like Acuity swap it is cheaper, and it is one of the few here that lists a HIPAA business associate agreement.

As listed in October 2026, Free covers up to 4 users with unlimited appointments and one email reminder, but no SMS and no two-way calendar sync. Pro shows $12 per user per month and $5 per user per month billed annually (the $12 figure is not explicitly labelled as monthly). Pro adds two-way sync, recurring and video appointments, deposits, review requests, SMS with 500 credits per user per month, the HIPAA agreement, an API and the option to remove Setmore branding. Payments run through Square, Stripe, PayPal or LawPay. A Live Receptionist add-on costs $99/month in the US. Pro comes with a 30-day risk-free period with a refund on request. Trustpilot: 4.9 from 3,274 reviews.
For coaching, the gaps are the same as Acuity's: no programs, habits, check-ins, courses or community, and no contract or invoicing workflow on the pricing page. Data export was not documented on the pages we checked.
Pick it over Coachful if you need a HIPAA agreement on your booking tool at a low price, or several staff sharing a free booking calendar.
9. TidyCal: the budget booking link
TidyCal is the lowest-cost way to keep taking paid bookings. It is sold partly through AppSumo and covers paid, recurring and package bookings even on its free plan.

As listed in October 2026, Free includes unlimited booking types and bookings, one readable and one writable calendar, and basic Google, Office 365 and Apple integrations, with a 1% TidyCal fee on Stripe payments. Individual Lifetime is a one-time $29 (via AppSumo) for 10 readable calendars, video links, group bookings and an AI booking assistant, still with the 1% fee. Agency Lifetime is $79 one-time and adds round robin and a team booking page. Pro is $12/month or $99/year, removes the platform fee and branding, and adds unlimited calendar connections, unlimited SMS reminders and a custom domain. There is a built-in Calendly importer, though no Acuity one is listed. Trustpilot: 3.1 from 182 reviews.
There are no client records, notes, programs, habits, check-ins, courses, community, website builder or email marketing. Watch the 1% fee: on a free or lifetime plan, every Stripe payment loses a percentage on top of Stripe's own fees.
Pick it over Coachful if your budget is the deciding factor and you are happy to run everything except booking somewhere else.
10. Is GoHighLevel overkill for most coaches?
For a solo coach, usually yes. GoHighLevel is an agency-first marketing CRM with calendars, funnels, websites, email and SMS, courses, communities, invoicing and contracts, all built around sub-accounts for an agency's clients.
As listed in October 2026, Starter costs $97/month ($970/year) for three sub-accounts with unlimited users and contacts. Unlimited is $297/month and Agency Pro $497/month. SMS, email, phone and AI usage are metered and billed on top, and add-ons run from a $49/month branded client portal app to $297/month for HIPAA compliance. The 14-day trial starts billing automatically unless you cancel. Trustpilot: 4.9 from 15,250 reviews.
For coaching delivery it is thin. There is no habit tracking, client check-in or structured program engine, so you would simulate them with workflows and forms, and there are no built-in video rooms. Funnels, sites and workflows are portable only as snapshots inside HighLevel, and data becomes inaccessible after cancellation (vendor profile, September 2026). Our GoHighLevel alternatives guide covers lighter options.
Pick it over Coachful if you run a marketing agency serving coaches, or your business depends on heavy SMS and phone follow-up for cold leads.
How do the features compare side by side?
Only Coachful covers every column; most scheduling tools cover the first two. "Partial" means the feature exists in a limited form or only on a higher plan.
| Tool | Booking and reminders | Payments and packages | Contracts | Client portal | Programs, habits, check-ins | Courses | Community | Website and funnels | Email marketing |
|---|---|---|---|---|---|---|---|---|---|
| Coachful | Yes | Yes | Yes | Yes | Yes | Yes | Yes | Yes | Yes |

What will each option cost at 5, 15 and 40 clients?
At small rosters the booking-only tools look cheapest, but they leave you buying the rest of your stack separately. The table shows list prices billed monthly where the vendor shows one, for the cheapest plan that covers that roster and includes a scheduler.
| Tool | 5 clients | 15 clients | 40 clients | What is still missing |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients | Booking through delivery covered; only Stripe or Razorpay processing on top |
| Acuity Scheduling (Standard) | $34 | $34 | $34 | Contracts, portal, programs, courses, community, website, email |
| HoneyBook (Essentials) | $59 | $59 | $59 | Programs, courses, community, website |
| Dubsado (Premier) | $55 | $55 | $55 | Programs, courses, community, website, email |
| Calendly (Standard, billed annually) | $10 | $10 | $10 | Contracts, portal, programs, courses, community, website, email |
| Paperbell | $97 | $97 | $97 | Habits and check-ins, full courses, community |
| Practice Better | $35 (Starter) | $69 (Professional) | $69 (Professional) | Website and funnels; evergreen programs and SMS need Plus |
| CoachAccountable | $40 | $120 (20-client tier) | $250 (50-client tier) | Website, marketing, community |
| Setmore (Pro) | $12 | $12 | $12 | Contracts, portal, programs, courses, community, website, email |
| TidyCal (Pro) | $12 | $12 | $12 | Contracts, portal, programs, courses, community, website, email |
| GoHighLevel (Starter) | $97 plus usage | $97 plus usage | $97 plus usage | Habits, check-ins, built-in video |
Two notes. First, these are per-coach figures; Calendly and Setmore charge per seat or user, so a second coach doubles them. Second, the "still missing" column is the real cost. We have not priced those extra tools because the choices vary too much, but list the ones you would need and add their monthly prices before comparing. Our guide to managing client scheduling without Acuity walks through that exercise.
How would you set up a coaching practice in Coachful after Acuity?
Plan on a few focused sessions rather than a weekend rebuild, especially if you hand the build to the white-glove team. Here is a worked example for the practice described earlier: a life coach with 15 one-to-one clients on three-month packages and one 10-person group program. The numbers are illustrative.

- Export from Acuity. Acuity exports clients and appointments to CSV from the admin (vendor profile, September 2026). Note every future appointment so nobody falls through the gap.
- Start a free trial and request the build. Use Create, then We'll build it for you, and ask for your website, your discovery-call funnel and your three-month program outline. Attach your existing copy, logo and photos. Clients, programs and content are imported for you during onboarding.
- Connect money and calendars. Link your Stripe Connect or Razorpay account, then sync Google, Apple/iCloud or Outlook so your existing calendar blocks availability.
- Create session types. A free 20-minute discovery call with intake questions, a paid single session, and a package sold as session credits. Set buffers, minimum notice and the video option for each.
- Add your agreement. Upload your coaching agreement so it goes out for e-signature before the first call, with your scope and referral language included.
- Build the program. Twelve weeks of weekly goals, daily tasks and two or three habits, with a morning and evening check-in. Michelle can draft the structure from your outline.
- Set up the group. Enroll the 10 group clients in the program; Coachful creates their cohort group automatically, and you schedule the weekly group call.
- Turn on reminders. Email reminders run by default, and SMS 24 hours and WhatsApp one hour before a session start once messaging is enabled.
- Switch the link. Replace your Acuity link everywhere (website, email signature, link in bio) on the same day, and keep Acuity open until the last booked appointment has passed.

What the client experiences. A prospect clicks your link, picks a discovery call in their own time zone and answers your intake questions. After the call they buy the package, sign the agreement and land in your branded app. Their next session, this week's goal, today's habits and the morning check-in are all on one screen, and the reminder for Thursday's call arrives by email and text without you doing anything. Group clients see the cohort feed and the weekly call in the same place. Nobody has to remember a second login.
Coaches in a specific niche can start from a tailored page, such as Coachful for life coaches or for health coaches.
What mistakes should you avoid when leaving Acuity?
The common mistakes are about timing and hidden costs, not features.
- Running two booking links at once. Clients book on the old one and you double-book. Switch every link on the same day.
- Forgetting booked appointments. Export them first and either re-create them or keep the old account until they pass.
- Comparing only the booking tool's price. A cheap booking link plus a portal, course host, community and email tool can cost more than one platform. Use the "still missing" column above.
- Ignoring per-seat and per-client pricing. Calendly and Setmore charge per seat or user; CoachAccountable and Practice Better step up with your roster. Price your plan at the size you expect next year.
- Losing text reminders. If Acuity Standard's text reminders kept your no-shows down, check the new tool's SMS terms before you switch.
- Overlooking compliance. If you need a HIPAA agreement, confirm it in writing before you migrate. Coachful does not offer one, and HoneyBook, Dubsado and Calendly did not list one on the pricing pages we checked.
- Assuming PayPal carries over. Acuity accepts PayPal and Venmo. Coachful does not support PayPal, so tell PayPal-paying clients early.
Which Acuity alternative should you pick?
If you sell programs, group work or anything with structure between sessions, pick Coachful: it replaces Acuity's booking and the four to six tools around it, and the free white-glove build gets you live without a rebuild weekend. That is why it tops this list of acuity alternatives for coaches.
If you only need a booking link, Calendly is the familiar choice, Setmore is the budget choice with a HIPAA agreement on Pro, and TidyCal is the cheapest paid-booking option. If your work is mostly proposals and invoices, HoneyBook or Dubsado fit. Clinically minded wellness practitioners should look at Practice Better, small accountability-focused rosters at CoachAccountable, and package-only solo coaches who need PayPal at Paperbell. GoHighLevel is for agencies. For a broader view, see our best scheduling software for coaches and the Coachful as an Acuity alternative page.
Frequently asked questions
What is the best Acuity alternative for coaches?
For coaches who deliver programs, Coachful is our pick because it covers booking plus payments, agreements, habits, check-ins, courses, community and a website under one login. If you only need booking, Calendly, Setmore or TidyCal are simpler swaps. The right answer depends on how much happens between your sessions.
Is there a free alternative to Acuity Scheduling?
Calendly, Setmore and TidyCal all have free plans, with limits: Calendly allows one event type, Setmore has no SMS or two-way sync, and TidyCal takes 1% of Stripe payments. Practice Better's Sprout plan is free for 3 clients. Coachful offers a free trial but no permanent free plan.
Can I move my Acuity clients into Coachful?
Yes. Export your clients and appointments from Acuity as a CSV, and the Coachful team imports clients, programs and content for you during onboarding. Re-create future appointments or keep Acuity running until they pass.
What is Coachful's free white-glove service?
On every plan, you describe what you want built, such as a website, funnel, program, course outline or email sequence, and attach up to 8 links and 10 files. The Coachful team builds it inside your account, usually within about 24 hours, without inventing credentials, testimonials or prices. It does not include video recording, logo design, ads or ongoing marketing.
Does Coachful send SMS reminders like Acuity?
Yes. Coachful sends email reminders, plus an SMS 24 hours before and a WhatsApp message one hour before a session once messaging is enabled. On Acuity, text reminders start on the Standard plan.
Is Coachful HIPAA compliant?
No. Coachful is not HIPAA-certified and does not sign a business associate agreement, and it is not built for clinical records or insurance billing. Acuity Premium and Setmore Pro list a HIPAA agreement, and GoHighLevel sells HIPAA compliance as an add-on.
Does Coachful take PayPal or charge transaction fees?
Coachful does not support PayPal; payments run through your own Stripe Connect or Razorpay account, with Apple Pay and Google Pay. Since August 2026 there is a 0% Coachful platform fee, so you pay only Stripe or Razorpay processing.
Is Calendly better than Acuity for coaches?
They solve the same problem. Calendly has a simpler free plan and per-seat pricing, while Acuity includes intake forms, packages and memberships in its plans. Neither manages what happens between sessions; our Calendly vs Acuity comparison goes through the details.
Can I run group coaching and 1:1 sessions in the same tool?
In Coachful, yes: enrolling clients in a program creates a cohort group automatically, and you can schedule group calls and webinars next to 1:1 sessions. Acuity, Calendly, Setmore and TidyCal can book group slots but have no shared space for the group between calls.
