The 7 Best Calendly Alternatives for Executive Coaches

The 7 Best Calendly Alternatives for Executive Coaches

The best Calendly alternatives for executive coaches are tools that book the session and also handle what surrounds it: a sponsor who pays, an assistant who reschedules, a signed agreement, a fixed bundle of sessions across a six-month engagement and notes you can find before the next call. Calendly is a capable scheduler, but it stops at the booking. If you only need a link that fills a calendar, a cheaper scheduler will do. If the booking is one step in a paid engagement, you want a platform that holds the engagement itself.

Our pick is Coachful, because it puts booking, Outlook and Google sync, Teams or Zoom links, session credits, coaching agreements, invoices, client notes and ICF hour tracking behind one login, with a branded app for the leader you coach. We make Coachful, so weigh that, and read the "Pick it over Coachful if..." line under every other tool. Six more options follow, from Acuity Scheduling to TidyCal, with prices as listed in October 2026.

If you coach across niches, our broader guide to Calendly alternatives for coaches covers the general case. This article stays with executive and leadership coaching, where the buyer, the calendar and the paperwork look different.

What do executive coaches need from a Calendly alternative?

Executive coaches need a booking tool that respects corporate calendars and a client system that respects corporate buyers. The session is rarely the hard part. The hard part is everything a company expects around it.

Corporate calendars and meeting links

Many executives live in Outlook and Microsoft Teams, and many coaches live in Google Calendar. Your tool needs two-way sync with both, so a board meeting moved by an assistant blocks your slot instantly, and it should create the video link the client's company allows. A Google-only tool forces workarounds the first week you sign a Microsoft-based client.

Assistants who book and rebook

Executive assistants often handle the calendar. That means minimum notice rules, buffers so you are not sprinting from a tense call into the next one, time-zone detection for leaders who travel and reminders that reach the right inbox. Booking questions help too: "Who should receive the invite?" saves a lot of back and forth.

Engagements, not single bookings

A typical engagement is a set number of sessions over a fixed period, sometimes with stakeholder interviews or a three-way kickoff with the executive's manager or HR partner. You need session credits that count down, a record of what was used and an easy way to see who is close to the end of their engagement. Calendly can take a payment per booking; it does not track a 12-session package.

Sponsors, contracts and invoices

The person in the chair is often not the person paying. Companies want a coaching agreement signed before the first call, an invoice they can route to accounts payable and clean records of what was delivered. Confidentiality terms matter: what the coach shares with the sponsor and what stays between coach and client should be in writing, and the signed copy should sit on the client record, not in an email thread.

Between-session accountability

Leadership development happens between sessions: a delegation experiment, a feedback conversation, a weekly reflection on a 90-day goal. A scheduler cannot hold any of that. A coaching platform can give the client goals, check-ins and notes in one place, which also gives you something concrete to show the sponsor at the midpoint review.

Credential hours

Many executive coaches hold or are working toward an ICF credential, and corporate buyers often ask for one. Logging hours by hand from calendar exports is tedious. A tool that counts paid and pro bono hours from your actual sessions removes a quarterly chore. For background on the profession, see the Wikipedia overview of coaching.

Which Calendly alternatives are best for executive coaches?

Here is the short answer, ranked. Prices are vendor list prices as listed in October 2026 (Paperbell checked on October 27, 2026); "annual" means the per-month price when billed yearly.

How we ranked: one login for the whole engagement, support between sessions, total cost of the stack you would actually need, and setup effort (including whether someone will build it for you).

How did we choose and rank these tools?

We started from the jobs listed above and kept tools that solve at least the booking job well for a corporate client. Then we ranked by how much of the rest they cover.

  • Calendar fit. Two-way Outlook and Google sync and automatic Teams, Zoom or Meet links, as each vendor documents them.
  • Engagement handling. Packages or session credits, contracts and invoices for a sponsor.
  • Between-session support. Goals, check-ins, notes and a client-facing space.
  • Total stack cost. The subscription plus the other tools you would still need to buy.
  • Setup effort. How long it takes to be ready for your next corporate client.

We did not run hands-on tests for this article. Vendor facts come from each vendor's pricing and help pages (Calendly and the scheduling tools checked October 25, 2026; Paperbell on October 27, 2026), and ratings come from public Trustpilot profiles. Paperbell is a direct coaching-platform substitute, so per our ranking rules it sits in the lower half, not at #2.

1. Coachful: the full engagement behind one login

A laptop and a tablet on an oak desk in a corner office, showing a coaching intake list and an agreements page
Coachful's Intakes page and Agreements tab with demo data, on a laptop and tablet in a corner office.

Coachful is a coaching platform where booking is one feature among many: payments, coaching agreements, programs with habits and check-ins, courses, community, a website with funnels and email, and an AI assistant called Michelle. You get one login, and the leaders you coach get one branded app. It is built for coaches who deliver programs rather than isolated calls, for solo coaches growing into a small team, and for coaches tired of paying for four to six separate tools.

Booking that works with corporate calendars

Booking pages support availability rules, buffers, minimum notice and time-zone detection. Calendar sync is two-way with Google, Apple/iCloud and Outlook, so an assistant who moves the CEO's offsite also frees or blocks your slot. Sessions can use Coachful's built-in video or automatically created Zoom, Google Meet or Microsoft Teams links, which matters when a client's IT policy only allows Teams. Reminders go by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled.

Intake questions on the booking form let you collect the assistant's email, the sponsor's name or the purchase order number up front. Paid sessions and session credits cover the usual executive package: sell 12 sessions, and each booking draws one down. If you add associate coaches later, multi-coach session types can assign bookings by round-robin or to the least busy coach. Here is the scheduling walkthrough:

Chemistry calls, agreements and invoices

Most executive engagements begin with a chemistry call. The Intakes page tracks those calls with upcoming, converted and conversion-rate figures, so you can see how many chemistry calls turn into engagements.

Coachful Intakes page with intake call metrics and a table of prospects
The Intakes page with demo data: total intakes, upcoming calls, conversions and a conversion rate above the call list.

Coaching agreements with e-signature go out before the first call and are stored on the client record, so confidentiality terms and the sponsor reporting arrangement are signed and findable. See coaching contracts in Coachful for how that works.

Coachful Agreements tab with a drop area for signed PDFs

Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax. Every transaction produces an invoice, and you can raise manual invoices too, which suits a company that pays by invoice rather than card. Coachful charges a 0% platform fee (since August 2026); you pay only Stripe or Razorpay processing.

Between sessions and before each call

The client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with a status of thriving, active, quiet or at risk. Multi-week programs add weekly goals, daily tasks, morning and evening check-ins and goals with progress bars, so a leader working on delegation can log a weekly reflection and you see it before the call. Michelle, the built-in AI assistant, works from that live data: it briefs you before sessions, summarizes recorded sessions and drafts follow-up emails. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. If you want it, Michelle can also give you private feedback on your own coaching against ICF Core Competencies 3 to 8.

ICF hours without a spreadsheet

ICF credential tracking counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. More on the ICF hour tracking page.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you · FREE", describe what you need and attach up to 8 reference links and 10 files (logo, brand guide, bio, existing copy; no video files). The Coachful team builds it inside your own account, usually within about 24 hours: a website, a chemistry-call booking funnel, a six-month leadership program, an agreement-ready intake form or an email sequence. Nothing is invented: no fake credentials, testimonials or prices; gaps are left for you to fill. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. The service does not include recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

Where Coachful falls short for executive coaches

  • No routing forms that pick a host from form answers, which Calendly's Teams plan offers.
  • No Salesforce or HubSpot integration and no multi-stage sales deal board for large teams; Zapier is available.
  • No PayPal. Payments use Stripe or Razorpay.
  • The client app is the Coachful app with your branding, not an app under your own App Store account.
  • No permanent free plan; there is a free trial.

Price: flat monthly plans; lower plans cap the number of clients, Pro is unlimited, and Studio and Agency add coach seats with per-coach availability and staff permissions (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click. See also Coachful for executive coaches and our Coachful vs Calendly comparison.

2. Acuity Scheduling: the mature scheduler with intake forms

Acuity Scheduling homepage in October 2026 promoting appointment scheduling for service businesses
Acuity Scheduling's homepage in October 2026.

Acuity Scheduling is a Squarespace-owned appointment scheduler with intake forms, packages and memberships. For an executive coach, that means you can sell a block of sessions, ask structured questions before the chemistry call and take payment through your own Stripe, Square, PayPal or Venmo account, with no Acuity fee mentioned on top of processor rates.

Why it ranks second

Packages are the feature Calendly lacks most for engagement-based work, and Acuity has them. Intake forms are richer than Calendly's booking questions, which helps when you want role, reporting line and the sponsor's contact before a first call. Text reminders start on Standard, and Standard covers up to 6 calendars, enough to read a work calendar, a personal calendar and a shared family one.

Prices as listed in October 2026

  • Starter: $20/mo, or $16/mo billed annually, 1 calendar.
  • Standard: $34/mo, or $27/mo annually, up to 6 calendars.
  • Premium: $69/mo, or $55/mo annually, up to 36 calendars. A HIPAA BAA is available only on Premium.
  • Enterprise: custom pricing, unlimited calendars.

Acuity documents a 7-day free trial on every plan with no credit card required.

What it leaves to other tools

Acuity has no client portal for programs, habits, check-ins or messaging, and no courses, community, website builder or email marketing. For an executive engagement you would still add an e-signature tool for agreements, somewhere to keep session notes and a way to share action items. Acuity's Trustpilot score was 3.6 from 687 reviews when seen on October 25, 2026.

Pick it over Coachful if you only need a stronger scheduler than Calendly with packages and intake forms, and you already run notes, contracts and client communication in tools you like.

3. TimeTuna: branded booking pages pitched at coaches and consultants

TimeTuna homepage in October 2026 promoting branded booking pages for coaches and consultants
TimeTuna's homepage in October 2026.

TimeTuna is a branded booking-page scheduler whose homepage lists coaches first among its audiences, followed by consultants, founders and agencies. Its free plan is generous for a corporate calendar: unlimited booking pages, two-way Google, Microsoft and iCal sync, and automatic Google Meet, Microsoft Teams and Zoom links.

The executive-coaching angle

Two-way Microsoft sync and Teams links on the free plan solve the most common Calendly frustration for coaches whose clients sit in Microsoft-only companies. Booking pages support video backgrounds, which can make a chemistry-call page look more like a premium consultancy than a generic link. Custom intake form fields and a custom domain start on Pro.

Cost and plan details

TimeTuna's own USD price table lists Pro at $11.50/mo ($5.83/mo billed annually) for a single user and Executive at $23/mo ($11.67/mo annually) with team sharing for up to 6 people. A White label plan is listed at $116.67/mo billed yearly only, for up to 10 client companies with 6 seats each, set up on a call. Its homepage renders prices in euros from some locations, and we could not confirm the USD figures rendered from a US location, so check at checkout. Pro and Executive come with a 14-day free trial.

Watch-outs

Charging for sessions through Stripe requires the Executive plan. TimeTuna's own Paperbell comparison page lists client packages, programs and contracts as "coming soon", and there are no courses, community or client portal. We found no Trustpilot profile for TimeTuna.

Pick it over Coachful if your engagements are invoiced outside the scheduler and you only want a polished, Microsoft-friendly booking page for chemistry calls and sessions at a low price.

4. Paperbell: a coaching platform built around packages

Paperbell homepage in October 2026 promoting an all-in-one platform for coaching packages
Paperbell's homepage in October 2026.

Paperbell is the one direct coaching-platform substitute on this list. Instead of a scheduler with extras, it sells packages with contracts, scheduling and payment in one checkout flow, plus a client portal. That shape fits an executive coach selling a fixed engagement to an individual leader.

What Paperbell includes, per its pricing page

On October 27, 2026, Paperbell's pricing page listed contract signing, client scheduling with calendar integration, a secure client portal, payment processing and packages, video call integration, email workflows, forms and surveys, digital downloads, online classes, group coaching tools and custom branding. Clients, sessions, files, packages and traffic are unlimited, and the page states no additional transaction fees beyond payment processing.

Pricing in plain numbers

There are two plans with the same features: $97 per month, or $970 per year (the page shows "2 Mo Free!" against a $1,164 figure). There is a "Try For Free" link without stated trial terms, a 30-day money-back guarantee and in-app cancellation. The page does not mention PayPal.

Where it is thinner

The pricing page does not list habits, daily check-ins, a community feed, a website builder or ICF hour tracking. At $97 a month for one coach, it also costs several times what a scheduler does, so the value depends on whether you use the contracts and portal. Our Paperbell alternatives for executive coaches article goes deeper.

Pick it over Coachful if you want a single flat price with unlimited clients from the first day, and your engagements are session packages without much between-session program work.

5. Setmore: a free scheduler for a small coaching firm

Setmore homepage in October 2026 promoting free appointment scheduling for small teams
Setmore's homepage in October 2026.

Setmore is an appointment app with a booking page, reminders and payments. Its free plan allows up to 4 users with unlimited appointments, which is unusual and useful if you run a small boutique with associate coaches who each need their own calendar.

Fit for leadership practices

For a three-coach firm, Setmore's free tier can replace three Calendly seats. Pro is priced per user and adds 500 SMS credits per user per month, so assistants and executives get text reminders. Setmore's Trustpilot score was 4.9 from 3,274 reviews on October 25, 2026, the highest on this list, though those reviews come from every kind of appointment business, not coaching specifically.

Prices as listed in October 2026

  • Free: $0, up to 4 users, unlimited appointments, 1 email reminder, no SMS.
  • Pro: $12/mo per user, or $5/mo per user billed annually, unlimited users.
  • Enterprise: custom.

Setmore offers Pro "risk-free for 30 days" with a refund on request; card terms are not stated.

Limits to plan around

The free plan has no SMS reminders and no two-way calendar sync, which is a problem when an executive's assistant moves meetings in Outlook. There are no client programs, habits, check-ins, courses or community, and the pricing page shows no contracts or invoicing workflow.

Pick it over Coachful if you run a small team, need several calendars at no cost and handle agreements and invoicing in your accounting system.

6. Calendon: the cheapest paid booking link

Calendon homepage in October 2026 promoting simple paid booking links
Calendon's homepage in October 2026.

Calendon is a simple booking-link scheduler whose Pro plan is aimed at "coaches, freelancers & professionals", and its homepage pitches selling sessions paid upfront. For an executive coach, it covers one narrow job: taking payment for an ad hoc session at the moment of booking.

The good parts

Calendon states 0% commission: booking revenue goes to your Stripe account minus Stripe's own fee. Intake questions support text, dropdowns and checkboxes, one per service on Free and unlimited on Pro. Two-way Google Calendar sync is included.

The price

Free is $0 with 3 services, 2 schedules, unlimited bookings and a "Powered by Calendon" badge. Pro is $5/mo, or $4/mo billed annually, with unlimited services, schedules and questions. The pricing page mentions a Pro free trial without a stated length; Calendon's in-app changelog describes 14 days.

Why it ranks sixth for this niche

Microsoft Outlook and Teams appear as "coming soon" in the app, and booking links do not work until Google Calendar is connected. For a coach whose clients book from corporate Microsoft environments, that is a serious gap today. Payments, reminder emails and Zoom are Pro-only; Google Meet links are on Free. There are no packages, contracts or client records.

Pick it over Coachful if you work fully in Google Workspace, sell occasional one-off sessions and want the lowest possible software bill.

7. TidyCal: a low-cost booking page with paid packages

TidyCal homepage in October 2026 promoting a low-cost booking page with paid packages
TidyCal's homepage in October 2026.

TidyCal is a low-cost booking tool sold through AppSumo, with paid bookings and packages. It suits a coach starting out who wants to sell a small session bundle without monthly fees.

Plans and fees

The Free plan includes unlimited booking types and bookings, 1 readable and 1 writable calendar and basic Google, Office 365 and Apple integrations. Pro is $12/mo, or $8.25/mo billed annually, with unlimited calendar connections and SMS reminders. Individual and Agency lifetime deals also exist; their prices were not shown in our October 2026 data, so check before buying. Free and Lifetime plans carry a 1% TidyCal fee on Stripe payments, with Stripe fees on top; Pro removes it.

Executive-coaching reality check

A 1% fee looks small until an engagement invoice is in the thousands. On a sample $6,000 engagement, that is $60 to TidyCal before Stripe takes its share, which more than pays for a year of Pro. TidyCal has no client records, notes, programs, habits or check-ins, and no courses, community, website builder or email marketing. Its Trustpilot score was 3.1 from 182 reviews on October 25, 2026.

Pick it over Coachful if you are testing executive coaching on the side, sell a few small packages and want a near-zero monthly cost.

How do the features compare?

This matrix covers the features executive engagements depend on, based on each vendor's documentation. "Not listed" means we found no mention in the vendor's pricing materials.

The pattern is clear: the schedulers solve the calendar, Paperbell adds the engagement paperwork, and only Coachful also covers the work between sessions and the credential log. If your executive clients mostly need a reliable link, a scheduler is fine. If your sponsors ask what changed, you need the record.

What does each tool cost at 5, 15 and 40 clients?

Schedulers price per user, so their cost stays flat as your client list grows; Coachful's plans step up by client count. The figures below are for one coach on the cheapest plan that covers paid bookings, as listed in October 2026, billed monthly unless noted.

Tool5 clients15 clients40 clientsStill need separately
CoachfulLite: $29/month for up to 5 clientsSolo: $49/month for up to 20 clientsPro: $99/month with unlimited clientsNothing for the core engagement

Calendly (Standard, annual)$10/mo$10/mo$10/moPackages, contracts, notes, client portal

The right column is the real cost. A scheduler at $10 to $23 a month plus an e-signature tool, a notes app, an email platform and a client space adds up quickly, and each one is another login for you and another link for a busy executive. For more on Calendly's own tiers, see Calendly pricing in 2026.

How does an executive coach set this up in Coachful?

Here is an example setup for a six-month leadership engagement sold to a company, step by step. The names and session counts are illustrative; adapt them to your offer.

  1. Ask for the build first. From Create, open "We'll build it for you · FREE" and request a homepage with a chemistry-call button, an intake form and a six-month program outline. Attach your bio, logo and a link to your LinkedIn profile.
  2. Connect calendars. Link your Outlook work calendar and your Google personal calendar with two-way sync so both block availability.
  3. Create two session types. A free 30-minute chemistry call and a 60-minute paid coaching session with Teams links auto-created. Add a 15-minute buffer and 48 hours minimum notice.
  4. Add booking questions. Ask for the client's role, the sponsor's name and email, the assistant's email and any purchase order number.
  5. Build the offer. Sell a 12-session engagement as session credits, with a payment plan or a manual invoice to the company. Connect your Stripe account first.
  6. Attach the agreement. Write your coaching agreement with confidentiality and sponsor-reporting terms, and set it to go out for e-signature before the first session.
  7. Load the program. Create a six-month program with monthly goals, a weekly reflection check-in and a 90-day midpoint review task. Enrolment drops the client into the program automatically.
  8. Turn on reminders. Enable email reminders, and SMS 24 hours before once messaging is on.
  9. Prepare with Michelle. Before each session, read Michelle's briefing on recent check-ins and notes.
  10. Close the loop. At the end, export the session history for the sponsor report and let the ICF log record the hours.

What mistakes should executive coaches avoid when leaving Calendly?

  • Choosing a Google-only tool. If even one client company runs on Microsoft 365, check for two-way Outlook sync and Teams links before you migrate.
  • Ignoring the sponsor. A tool that only takes card payments from the person booking will not fit a company that pays by invoice. Confirm manual invoicing before you sign.
  • Keeping agreements in email. When HR asks for the signed confidentiality terms six months later, you want them on the client record.
  • Underpricing because the tool is cheap. A $5 scheduler says nothing about your engagement price. Set fees from your delivery hours, preparation time and sponsor reporting, not from your software bill.
  • Forgetting payment fees. A 1% platform fee on a large engagement can cost more than a year of a premium plan. Coachful's platform fee is 0%; Stripe processing still applies.
  • Breaking active engagements. Move new clients first and keep current bookings where they are until their next natural break, or import them during onboarding.
  • Losing hours data. Export your Calendly scheduled events to CSV before you cancel, so your ICF hours history survives the move.

Our Calendly review lists the specific Calendly features coaches miss most after switching, and routing forms are the one to check if you run a large team.

Which Calendly alternative should executive coaches choose?

Choose Coachful if your work is paid engagements: it books around Outlook and Teams, sells session credits, sends agreements for signature, invoices the company, keeps notes and check-ins between sessions and logs ICF hours, all in one login with a free white-glove build to get started. It is not HIPAA-certified, has no PayPal and no routing forms, and it is not a free tool.

Choose Acuity Scheduling if you want a stronger scheduler with packages and intake forms. Choose TimeTuna for a polished, Microsoft-friendly booking page at a low price. Choose Paperbell if you prefer one flat unlimited price and mostly sell session packages. Setmore suits a small firm needing free seats, Calendon suits Google-only coaches on a tight budget and TidyCal suits a side practice testing paid packages.

Frequently asked questions

Is Calendly good enough for executive coaching?

For booking alone, yes: it connects up to 6 calendars and takes Stripe or PayPal payments from the Standard plan. It does not track session packages, send coaching agreements, hold notes or support clients between sessions, so most executive coaches add three or four tools around it.

What is the best Calendly alternative for executive coaches?

We rank Coachful first because it covers booking, session credits, agreements, invoices, notes, check-ins and ICF hour tracking in one login. If you only need a scheduler, Acuity Scheduling is the strongest pure booking option in this list.

Which tools sync with Outlook and create Microsoft Teams links?

Coachful and TimeTuna both document two-way Microsoft calendar sync and automatic Teams links. Calendon lists Outlook and Teams as coming soon, and Setmore's free plan has no two-way sync.

Can I invoice a company instead of charging the executive's card?

In Coachful, yes: every payment produces an invoice and you can create manual invoices for a sponsor. Pure schedulers such as Setmore, Calendon and TidyCal take payment at booking and do not show an invoicing workflow on their pricing pages.

What is Coachful's free white-glove service?

It is a done-for-you build included on every plan. You describe what you need, such as a website, a chemistry-call funnel or a leadership program, attach up to 8 links and 10 files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include video recording, logo design, ads or ongoing marketing.

Does Coachful track ICF coaching hours?

Yes. It counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours.

Is Coachful HIPAA-compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical records. For executive coaching that rarely matters, but if you also do clinical work, keep those records in a clinical system.

Does Coachful have routing forms like Calendly?

No. Coachful does not route bookings to a host based on form answers. Multi-coach session types can assign bookings by round-robin or to the least busy coach, which covers most small associate teams.

Can I keep my existing clients when I switch?

Yes. During onboarding, Coachful imports your clients, programs and content for you. Export your Calendly scheduled events to CSV first so your session history is preserved.

How do I start with Coachful?

Start a free trial, connect your calendar and Stripe, then request the free white-glove build for your site, booking funnel or program. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.
