Paperbell vs Dubsado: Which Fits Your Coaching in 2026?

Paperbell vs Dubsado: Which Fits Your Coaching in 2026?

Paperbell vs Dubsado comes down to one question: do you want a coaching tool that works out of the box at one flat price, or a cheaper, more configurable client workflow system you are willing to set up yourself? Paperbell is a single plan at $97 a month ($970 a year, as listed in October 2026) that bundles booking, packages, payments, contracts, a client portal and a simple website. Dubsado costs $35 or $55 a month and gives you forms, contracts, invoices, a scheduler and automated workflows, but no website and no email marketing. Neither one helps much with what happens between sessions: programs, habits, check-ins or a client community.

This guide compares both on price, booking, payments, contracts, automation, websites, client experience and data export, using what each vendor documents and what public reviewers report. We make Coachful, a coaching platform that covers the same admin plus program delivery, so we also explain where it beats both and where it does not. You will find it as "the third option" near the end, and in the first row of every table, because that is how we rank: one login for the whole client journey, delivery between sessions, total stack cost and setup effort.

What is the short answer?

Pick Paperbell if you sell one-to-one coaching packages, want everything working in an afternoon and do not mind paying more for simplicity. Pick Dubsado if you run a service business with a multi-step client process, want to automate it in detail, and already have a website and email tool you like.

  • New solo coach selling packages: Paperbell is the easier start. One plan, no add-ons, booking and checkout connected.
  • Coach on a tight budget: Dubsado Premier is $55 a month against Paperbell's $97, but you still need a website and an email tool on top.
  • Coach with a detailed onboarding process (proposal, contract, invoice, questionnaire, reminders): Dubsado's Flows are built for exactly that.
  • Coach with a small support team: Dubsado includes up to three additional team members; Paperbell is priced per coach.
  • Coach who delivers programs, courses or group work between calls: neither fits well. Look at the third option below.

How do Paperbell and Dubsado compare side by side?

Paperbell is coaching-specific admin in one plan; Dubsado is a general client workflow CRM used by coaches, designers, photographers and other service businesses. Ranking criteria for every table below: one login for the whole client journey, between-session delivery, total stack cost and setup effort.

The pattern is clear. Both tools are strong on the business side of a coaching engagement (getting someone booked, signed and paid) and thin on the coaching side (what the client does between calls). That gap matters more or less depending on how you coach.

How does Paperbell vs Dubsado pricing compare?

Dubsado is cheaper on paper: $35 or $55 a month against Paperbell's $97. Paperbell includes a website, while Dubsado leaves you to pay for a website and email tool separately, which narrows the gap.

What Paperbell charges

Paperbell has one plan. As listed in October 2026 it is $97 a month or $970 a year, which the pricing page shows against $1,164 with a "2 Mo Free!" label. Everything is included: coaching website, scheduling, payments and packages, client portal, contracts, email workflows, forms, group coaching, video call integration, notes, digital downloads, online classes and custom branding. Paperbell says there are "no upsells or hidden add-ons" and "no additional transaction fees"; you still pay Stripe or PayPal processing.

The pricing page does not state the trial length. Paperbell's help center in July 2026 described a 7-day trial with the public site offline and client messages and SMS switched off, so you can test the setup but not run real clients through it. There is a 30-day money-back guarantee. For a full breakdown, read Paperbell pricing in 2026.

What Dubsado charges

Dubsado has two plans. Starter is $35 a month or $335 a year; Premier is $55 a month or $525 a year. The pricing page shows yearly totals; the monthly figures come from Dubsado's official information page. These prices apply to new subscribers since December 1, 2025, and earlier subscribers keep their old rates.

The Starter plan is not really a coaching plan. It has no scheduler and no automated workflows, so a coach who needs clients to book calls is looking at Premier. Up to three additional team members are included; 4 to 10 users add $25 a month, 11 to 20 add $45, 21 to 30 add $60, and larger teams contact sales. Each additional brand costs $10 a month. The trial is 21 days with full Premier access and no credit card. See Dubsado pricing in 2026 for the detail.

What the real yearly cost looks like

Here is an example for a solo coach billed monthly. Paperbell: $97 x 12 = $1,164. Dubsado Premier: $55 x 12 = $660, a $504 difference. On annual billing the gap is $970 against $525, or $445.

That difference is what you have to spend on everything Dubsado leaves out. Dubsado states that it does not include website building and is not an email marketing platform, so a Dubsado coach usually pays for a website builder and a newsletter tool as well. If those two cost you more than the gap, Paperbell is the cheaper stack. If you already pay for them, or you only need a one-page site, Dubsado wins on price.

Neither total includes anything for courses, a client community or habit tracking, because neither tool covers them well. If you deliver those, add the cost of a course platform and a community tool to either column.

Which handles booking and scheduling better?

Paperbell includes scheduling on its only plan; Dubsado only includes it on Premier. Both handle the basics a coach needs: availability, a booking link and a video call link.

Paperbell lists scheduling and video call integration among its included features, and its pricing page groups scheduling with payments and packages. The appeal is that booking, payment and contract live in one tool, so you are not stitching three services together.

Dubsado's scheduler is a Premier feature. It connects to the rest of Dubsado's workflow, so a booking can trigger the next step in a Flow, such as sending a questionnaire or an invoice. That flexibility is real, but you build it yourself. If you only need one session type and a link to share, Paperbell is less work. If your booking is one step in a longer process, Dubsado gives you more control.

If no-shows are a problem for you, test each tool's reminders during the trial before you commit.

Which handles payments, invoices and contracts better?

Dubsado has the deeper billing toolkit; Paperbell has the simpler one. Both include contracts with e-signature and neither takes a platform fee on your sales.

Paperbell takes payments through Stripe or PayPal and sells coaching packages. Contracts are included, so a client can sign before the first call. Paperbell says there are no additional transaction fees.

Dubsado offers more ways to get paid. Dubsado Payments runs on Stripe and supports cards, ACH, Klarna, Affirm and Tap to Pay; you can also use PayPal or Square. Optional surcharging can pass card costs on to the client. Premier adds public proposals and a bookkeeping integration. Dubsado states no platform fee, so you pay processor rates only.

For a coach selling a 12-week package, both work. For a coach who sends custom proposals to corporate clients, invoices in stages and wants their bookkeeping synced, Dubsado is stronger. Our Dubsado review covers its contract and invoice templates in more depth.

Which automates client workflows better?

Dubsado, clearly. Its automated workflows, called Flows, are the main reason people choose it, and they are on Premier only. Paperbell has email workflows, which are simpler.

A Dubsado Flow chains steps, for example: send a proposal, wait for signature, send an invoice, wait for payment, send a questionnaire, send a scheduler link, send a reminder before the first session. You decide the order, the delays and the conditions. Premier also connects to Zapier for steps outside Dubsado.

The trade-off is setup time. A Flow is only as good as the forms, contracts and templates behind it, and you write each of those first. Coaches who enjoy building systems tend to like it. Coaches who want to coach, not configure, often find Paperbell's lighter approach enough.

If you mainly want onboarding to run itself, read how to run client onboarding without Dubsado for the steps you can rebuild in any tool.

Can either one build your website and send your marketing email?

Paperbell includes a simple coaching website. Dubsado does not include a website at all and says it is not an email marketing platform.

Paperbell's website is meant to present your coaching and send visitors to your packages, rather than to replace a full site builder; our guide to the Paperbell website shows what you get and where coaches go further. Paperbell's email workflows send messages tied to client actions, but it is not a newsletter tool for broadcasting to a list of prospects.

Dubsado gives you lead-capture forms you embed on a website you already have, one active form on Starter and unlimited on Premier. You still need a website builder and a separate email marketing tool. That is fine if you already run them, and an extra bill and login if you do not.

Which one helps you deliver coaching between sessions?

Neither does much. Both are built for running the business of an engagement, not for the client's work between calls.

Paperbell includes group coaching, digital downloads and online classes on its pricing page, which covers simple group offers and resources. Older profiles of the product report no full course platform, no community feed and no goal or habit tracking. Our article on Paperbell group coaching explains where it stops.

Dubsado has no courses, no client community and no habits or check-ins. It was not designed for that, and it does not claim to be.

If your clients mainly need a session and a follow-up email, this gap does not matter. If you sell a 90-day program where the client tracks habits, checks in daily and talks to a cohort, you will need more tools alongside either one, which is where total cost and the number of logins start to climb.

What does the client experience look like in each?

Paperbell's client experience is simpler and more coaching-shaped; Dubsado's is more document-shaped. Both give clients a portal in the browser rather than a full native app.

A Paperbell client works with your packages, contracts, bookings and files through Paperbell's client portal. Older profiles report no native mobile app, so clients use the portal in a mobile browser. The Paperbell client portal guide walks through what they see.

A Dubsado client mostly sees forms, proposals, contracts and invoices, plus a client portal that collects them. That is clear for a project-style engagement. Dubsado's mobile app is a companion, and Dubsado says full functionality needs the desktop web app.

In both tools the client's experience ends when the admin ends. There is nothing in either portal that keeps the client working on goals between calls.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

Which should you pick for your kind of coaching?

Match the tool to how you deliver, not to the feature count. Here is how we would choose for common coaching businesses.

ToolPick it if you areSkip it if you are
CoachfulA coach selling programs, groups or courses who wants booking, payments, delivery, website and email under one loginA clinician who needs HIPAA, insurance billing or PayPal checkout
PaperbellA solo one-to-one coach selling packages who wants the fastest possible setupRunning courses, a community, a team or a detailed marketing site
DubsadoA consultant-style coach with proposals, staged invoices and a detailed onboarding process, who already has a website and email toolA new coach without a website, or a coach on the Starter plan who needs clients to book calls
  • Life coaches and new coaches: Paperbell gets you live faster than Dubsado. See the Paperbell alternatives for life coaches list if you also want programs.
  • Business and executive coaches: Dubsado's proposals and Flows suit corporate clients. Our list of Paperbell alternatives for business coaches covers tools built for that buyer.
  • Coaches comparing other CRMs: read HoneyBook vs Dubsado, since HoneyBook is the other common choice in this category.
  • Health, fitness and habit coaches: neither tool tracks habits, check-ins or workouts. Look at a platform with program delivery built in.

Is there a third option? Coachful, and when it beats both

Yes. Coachful is a coaching platform that covers what Paperbell and Dubsado do for booking, payments and contracts, then adds program delivery, courses, community, a website, funnels and email under one login. It suits coaches who deliver programs rather than single sessions, and solo coaches growing into a small team. It does not suit clinicians who need HIPAA compliance or coaches who must take PayPal.

What Coachful does that both of them do not

Coachful runs multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Clients see all of it in their branded home and app, alongside courses with drip and completion tracking, downloads, videos and events. A community feed, group chat, direct messages and video events sit in the same place, and cohort groups are created automatically when someone enrolls in a program.

On the coach side, every client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with a status of thriving, active, quiet or at risk. Michelle, the built-in AI assistant, works from that live data: she briefs you before sessions, summarizes recorded sessions, drafts emails and content and builds programs. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits.

How it covers the Paperbell and Dubsado jobs

  • Booking: booking pages with availability rules, buffers, minimum notice and time-zone detection; two-way Google, Apple/iCloud and Outlook sync; built-in video or auto-created Zoom, Meet and Teams links; email reminders plus SMS and WhatsApp once messaging is enabled; paid sessions, session credits and intake questions.
  • Payments: your own Stripe Connect or Razorpay account; one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, Stripe Tax; an invoice per transaction plus manual invoices. Coachful charges a 0% platform fee (since August 2026), so you pay only processing.
  • Contracts: coaching agreements with e-signature, sent before the first call and stored on the client record.
  • Website and email: a section-based website builder with blog, custom domain, SEO settings and 30 designed homepage templates; booking, application, lead-magnet and checkout funnels; email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits.
  • Team: Studio and Agency plans add coach seats with per-coach availability and staff permissions, and multi-coach session types can assign by round robin or least busy.

The free white-glove build

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you inside your own account. From Create, choose "We'll build it for you", describe what you want (a website, funnel, sales page, program, course outline, email sequence, form, lead quiz or automation), and attach up to 8 reference links and up to 10 files such as logos, photos, brand guides and copy. The team usually delivers within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices; gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing.

Coachful Create page with the We will build it for you card
The Create page in Coachful, with the card that requests a free white-glove build.

A few recent builds, anonymized: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. A leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. A business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. Read more about the free white-glove service.

When Coachful does not beat them

  • You need PayPal: Coachful has no PayPal. Paperbell and Dubsado both support it.
  • You need a detailed proposal-and-invoice pipeline for agency-style work: Dubsado's proposals and Flows are more specialized, and Coachful has no multi-stage sales deal board or Salesforce or HubSpot integration.
  • You only ever sell single sessions: Paperbell's one-plan simplicity may be all you need.
  • You keep clinical records: Coachful is not HIPAA-certified and has no BAA. Clinical notes and insurance billing belong in a clinical system.
  • You want your own App Store listing: Coachful's client app ships under the Coachful listing with your branding.

Coachful in brief

What it is: a coaching platform covering booking, payments, contracts, programs with habits and check-ins, courses, community, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your clients. Who it is for: coaches who deliver programs, solo coaches growing into a small team, and coaches replacing four to six tools. What it does not do: HIPAA, PayPal, a permanent free plan, wearable sync or stock exercise videos. How to start: begin a free trial, then request a free white-glove build so your site, offer or program is ready when you are. Your clients, programs and content are imported for you during onboarding. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.

How hard is it to leave either one later?

Dubsado lets you export contacts to CSV and export invoices and bookkeeping data; forms and templates do not move with you. Paperbell keeps your client list and history in its Clients area, but a documented CSV export was not verified in the profile we checked.

Practically, plan to rebuild your forms, contracts and workflows in any new tool, and export your client list, invoices and signed agreements before you cancel. Our guides on migrating from Paperbell and migrating from Dubsado list every step. Coachful exports a full ZIP of your client data (roster, notes, check-ins, goals, habits, sessions and form responses) plus your courses, so leaving it later is straightforward.

What do public reviewers say about each?

Public review data is thin for both. As seen on October 25, 2026, Paperbell had a Trustpilot score of 3.5 from 14 reviews, down from 3.9 from 13 in its previous profile. Dubsado had a single Trustpilot review, which tells you nothing either way.

With so few reviews, the feature lists are a better guide. Paperbell's case rests on one all-in-one price and a short setup, and its limits show once a coach grows beyond one-to-one packages. Dubsado's case rests on flexibility and automation, at the cost of the time you spend building forms and Flows. For more, read our Paperbell review and the list of Dubsado alternatives for coaches.

Frequently asked questions

Is Paperbell or Dubsado cheaper?

Dubsado is cheaper on its own: $35 or $55 a month against Paperbell's $97, as listed in October 2026. But Paperbell includes a website and Dubsado does not include a website or email marketing. Add what you pay for those tools before comparing.

Does Dubsado have scheduling on every plan?

No. The Starter plan has no scheduler and no automated workflows. Scheduling and Flows are on Premier, at $55 a month or $525 a year.

Does Paperbell have a free trial?

Paperbell's pricing page shows a "Try For Free" button but no trial length. Its help center described a 7-day trial in July 2026, with the public site offline and client messages switched off. It also offers a 30-day money-back guarantee.

Can I build a coaching website with Dubsado?

No. Dubsado says it does not include website building. You embed its lead-capture forms on a site built elsewhere.

Which is better for group coaching?

Paperbell, of the two, because it lists group coaching and online classes among its features. Dubsado has no group or community features. Neither offers a community feed or habit tracking, so coaches running cohorts often look elsewhere.

Do Paperbell or Dubsado take a cut of my sales?

Neither states a platform fee. Paperbell says there are no additional transaction fees, and Dubsado lists processor rates only. You still pay Stripe, PayPal or Square processing fees.

Which is better for a coaching team?

Dubsado includes up to three additional team members and charges more as you add users. Paperbell is priced per coach. Coachful's Studio and Agency plans add coach seats with per-coach availability and staff permissions.

What is Coachful's free white-glove service?

It is a build service included on every Coachful plan. You describe the website, funnel, program, course outline or email sequence you want, attach links and files, and the team builds it inside your account, usually within about 24 hours. It does not include recording videos, logo design or ad management.

Can I move my clients from Paperbell or Dubsado to Coachful?

Yes. During onboarding, Coachful imports your clients, programs and content for you. Export your client list and signed contracts from your current tool first, and keep it active until your last booked sessions are complete.

Is either tool HIPAA compliant?

Neither vendor's facts we checked describe HIPAA compliance, and Coachful is not HIPAA-certified. Coaching is not medical treatment; if you keep clinical records or bill insurance, use a clinical practice system.
