Dubsado Review 2026: Strengths, Limits and Verdict for Coaches

Dubsado Review 2026: Strengths, Limits and Verdict for Coaches

This Dubsado review comes down to one sentence: Dubsado is a capable, highly customizable client workflow CRM for service businesses, and it handles the paperwork side of coaching well (forms, proposals, contracts, invoices, scheduling and automated follow-ups), but it does not deliver coaching itself. There are no programs, courses, habits, check-ins or client community, and Dubsado says plainly that it does not build websites and is not an email marketing platform. If your coaching is a calendar of one-off sessions and you want polished admin, Dubsado fits. If you sell multi-week programs and want clients to do the work between calls, you will be adding several more tools on top.

We make Coachful, a coaching platform that competes with Dubsado for coaches' budgets, so read this with that in mind. Everything we say about Dubsado comes from what Dubsado documents on its own pricing and official information pages as listed in October 2026, plus public review data. We have not run a hands-on test account for this article, and we say where the public evidence is thin.

What is the short verdict on Dubsado?

Dubsado is worth it for coaches who mostly need a branded, automated client onboarding and billing system, and it is a weak fit for coaches who deliver programs. Here is the verdict box before the detail.

QuestionAnswer (October 2026)
Who it suitsSolo coaches and consultants (and small teams up to about 10 people) who sell sessions or retainers and want lead forms, proposals, contracts, invoices and automated onboarding in one branded system.

Public ratingTrustpilot 3.7 from 1 review, seen on October 25, 2026. One review is not a meaningful sample.
Our recommendation for most coachesCoachful, if you want booking, payments, contracts and program delivery under one login; Dubsado Premier if you only want admin automation.

If you already know you need delivery tools as well as admin, our side-by-side Coachful vs Dubsado comparison covers the head-to-head in more depth.

What is Dubsado?

Dubsado is a cloud-based client management platform for service-based small businesses, founded in 2015 by Jake and Becca Berg and based in Burbank, California. It is self-funded, and on its official information page it says it has been used by more than 120,000 business owners, with about 30,000 current paying customers.

Dubsado's homepage introducing its client management platform for service businesses
Dubsado's homepage in October 2026.

The product brings proposals, contracts, invoicing, scheduling, automated workflows and client portals into one system. Its core audience is creative service providers: photographers, wedding planners, designers, virtual assistants and event professionals. Coaches and consultants are on its list of primary user types, and Dubsado's own FAQ says coaches use it for intake forms, coaching agreements, invoices and subscription payments, meeting scheduling and automated onboarding sequences.

Two things matter for a coach reading this in late 2026:

  • Dubsado 3.0 is the current platform. Dubsado launched a full redesign in November 2025 and says all new features are built only in 3.0. It also says Dubsado 2.0 will be retired at some point in 2026, with advance notice to users. If you read an older review describing the old interface, some of it no longer applies.
  • Dubsado is explicit about what it is not. Its information page says it is not a sales CRM and not an internal project management tool, and it separately states that it does not include website building and is not an email marketing platform. That honesty helps: you know up front which tools you will still need.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

What does Dubsado do for each part of a coaching business?

Dubsado is strongest in selling and admin, adequate in scheduling, and absent in coaching delivery. Below is a job-by-job look at what Dubsado documents, with notes on what that means for a coach.

Marketing: lead capture, but no website or email marketing

Dubsado gives you lead capture forms you can embed on your existing website. On Starter you get one active lead capture form; Premier makes them unlimited. Forms are fully brandable, accept optional custom CSS for styling and animation, and can run on your own domain so clients see your address rather than Dubsado's.

The honest note: that is where marketing stops. Dubsado does not host your website, landing pages or sales funnels, and it is not an email marketing tool for newsletters or nurture sequences to a list. A coach who wants to run a lead magnet, a webinar sign-up or a launch sequence will need a website builder and an email platform alongside it. Dubsado's own competitor notes even suggest that users who run paid ads or email marketing may pair it with a separate marketing platform such as GoHighLevel (we cover that one in our GoHighLevel review).

Selling: proposals, contracts and payments are the core strength

This is where Dubsado earns its reputation. A single proposal link can bundle package options, a contract with legally binding e-signature, an invoice and a payment plan, so a prospect can choose, sign and pay in one sitting. Sub-agreements and approval forms cover changes mid-engagement.

Payments are flexible. Dubsado Payments runs on Stripe and supports cards, ACH bank transfer, Klarna and Affirm buy now, pay later, and Tap to Pay. PayPal and Square integrations are also available. Invoices support line items, packages, discounts, payment plans, recurring invoices and autopay, with automatic reminders and receipts. Dubsado states no platform fee of its own; processor rates apply, and an optional surcharge setting lets you pass card costs to the client.

Public proposals (a proposal page you can share openly rather than send to one contact) are a Premier feature.

Delivery: scheduling and a notetaker, but no programs

On Premier, Dubsado's scheduler offers scheduling templates with custom availability, recurring availability, two-way calendar sync, and confirmation and reminder emails. Dubsado also lists a meeting notetaker that records client calls and generates transcripts, summaries and video recordings. Starter has no scheduler at all, which matters for coaches: almost every coaching business books calls.

Beyond the call itself, Dubsado has nothing for delivering the coaching. There are no multi-week programs, no courses or lessons, no habit tracking, no daily or weekly check-ins, no goals with progress, and no client community or group space. Dubsado's guides (welcome, service and project closeout) are documents, not a structured program a client works through. For a coach whose results come from what clients do between sessions, this is the gap that decides the review.

Client experience: branded and polished, desktop first

Clients get a branded, password-protected portal where they can see and complete their forms, contracts and invoices. Everything client-facing carries your branding, and the custom domain option keeps Dubsado's name out of view. Smart fields fill in a client's name, project dates or invoice totals automatically in emails and forms, so messages read as personal.

The note here is mobile. Dubsado's mobile app is a companion, and full functionality requires the desktop web app. That is fine for you as the coach at a desk, but there is no client-side coaching app where a client would log a habit or answer a check-in, because those features do not exist in Dubsado.

Admin: Flows, bookkeeping and multi-brand

Flows are Dubsado's automation builder and the main reason people pick it. A Flow can trigger on form submission, contract signature, payment received or appointment booked, then send emails, deliver forms, create invoices and assign tasks. Dubsado offers workflow templates for a full journey from inquiry to project close. Flows are Premier only.

Other admin features include project pipeline and status tracking, tags and filters, universal search, time and task tracking, two-way Gmail and Outlook email integration, canned email templates, AI-generated email thread summaries, income and expense tracking, profit and loss reporting and lead conversion reporting. QuickBooks Online and Zapier integrations are Premier only. You can run several businesses under one account with separate branding, email settings and templates, at $10/month per extra brand, and every paid plan includes up to three additional team members.

If you are comparing the admin side specifically, our guide on how to run client onboarding without Dubsado walks through the same intake, contract and payment steps in a coaching platform.

How does Dubsado compare with Coachful feature by feature?

On admin the two overlap; on delivery and marketing Coachful covers jobs Dubsado leaves out. The table below uses what each vendor documents.

How much does Dubsado cost in 2026?

Dubsado costs $35/month on Starter or $55/month on Premier, as listed in October 2026, with yearly billing at $335 and $525 respectively (about two months free). These rates apply to new subscribers since December 1, 2025; people who subscribed earlier keep their previous prices.

Note that the pricing page itself shows yearly totals; the monthly figures come from Dubsado's official information page. Both plans include unlimited clients and projects and up to three additional team members.

Dubsado Premier$55$525/year (about $43.75/month)Unlimited lead forms; scheduler, Flows, public proposals, Zapier, QuickBooks OnlineSame as Starter

Add-ons: extra brands cost $10/month each. Teams beyond the included three extra users pay $25/month for 4 to 10 users, $45/month for 11 to 20 and $60/month for 21 to 30; above 30, Dubsado asks you to contact sales.

For coaches, the practical price is Premier, because Starter has no scheduler. And Premier is not the whole stack. As an illustrative example, a coach on Dubsado Premier at $55/month who also sells a group program would still pay separately for a website builder, an email marketing tool, and somewhere to host course lessons and a community. Add up those subscriptions before you compare. Our full Dubsado pricing breakdown goes plan by plan, and the plans page shows what a single coaching subscription covers instead.

What do public reviewers say about Dubsado?

There is very little fresh public review data to report. On Trustpilot, Dubsado showed a 3.7 score from a single review when we checked on October 25, 2026, which tells you almost nothing either way. G2 and Capterra blocked our fetcher, so we cannot report current scores or review counts from those sites, and we will not paraphrase reviews we could not read.

What we can report is what Dubsado itself acknowledges, which lines up with the themes long associated with the product.

The praised side. Dubsado positions its depth of customization and automation as the reason to choose it over simpler tools, and its competitor notes repeat this against HoneyBook, Bonsai and others: deeper Flows, more control over branded forms and proposals, multi-brand support. Dubsado also describes its client experience as fully white-labeled, which is a genuine plus for a coach who cares about presentation from the first inquiry.

The complained-about side. Setup effort is the long-running issue, and Dubsado's own FAQ addresses it directly:

While Dubsado's depth of customization means there's more to configure than simpler tools, they are optional, and most users are up and running with their core templates and workflows within a week or two, depending on capacity.

Dubsado says the 3.0 redesign meaningfully improved onboarding, and it offers setup guides, workshops, office hours, a paid-member community, a free 10-form migration service and bulk client data import. It also points users who want help to Dubsado certified specialists, who are independent businesses you hire separately rather than Dubsado staff. Reading between the lines: plan on either a week or two of your own time or paying a specialist.

The other practical complaints follow from the documented limits rather than from reviews: the companion mobile app, the absence of a scheduler and automations on Starter, and the transition period while Dubsado 2.0 is retired.

What are Dubsado's pros and cons?

Dubsado's pros are proposals, payments and automation depth; its cons are setup effort and everything it leaves out for coaching delivery.

ProsCons
Proposal, contract, invoice and payment plan in one client linkStarter has no scheduler and no automated workflows
Flows automate onboarding from inquiry to close with multi-step triggersNo website, funnels or email marketing, by Dubsado's own description

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

Who is Dubsado best for?

Dubsado is best for coaches whose business looks like a service business: a discovery call, a proposal, a contract, a payment plan, a run of sessions and an invoice trail. Executive and business coaches on retainers, consultants who also coach, and coaches who run more than one brand will get the most from it.

  • Retainer and package coaches. If you sell a three or six month package of calls and your clients do their work in their own tools, Dubsado's proposal-to-payment flow is a clean fit.
  • Coaches with a separate website and email stack they like. If your site and newsletter already work, Dubsado slots in as the back office.
  • Multi-brand operators. A coach who also runs a consultancy, or a virtual assistant business, can keep both under one account.
  • People who enjoy building systems. Flows reward the time you put into them.

Dubsado is a poorer fit if you run group programs, sell courses, track habits or check-ins, or want a client app your clients open every day. Those coaches will spend more and juggle more logins assembling Dubsado plus three or four other tools than they would on a coaching platform.

Is Coachful a better Dubsado alternative for coaches?

For coaches who deliver programs, yes: Coachful covers Dubsado's admin jobs and adds the delivery, marketing and client app Dubsado leaves out, under one login. We make it, so here is exactly what it is, who it is for and what it does not do.

A laptop showing a client's coaching progress page and a phone showing check-in flows on a walnut side table
Coachful's client My Coaching progress page on a laptop beside its check-in flows library on a phone.

What Coachful is. Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs, not just sessions; solo coaches growing into a small team; and coaches replacing four to six tools. The company is based in Tallinn, Estonia, and has a Trustpilot score of 4.5 from 21 reviews.

What it does on the jobs Dubsado covers. Booking pages with availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook sync and built-in video or auto-created Zoom, Meet and Teams links (see scheduling software for coaches). Payments through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, Stripe Tax, with an invoice per transaction plus manual invoices and a 0% Coachful platform fee since August 2026 (see coaching payment software). Coaching agreements with e-signature are sent before the first call and stored on the client record.

What it adds that Dubsado does not have. Multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses with modules, lessons, drip and completion tracking (see online course platform for coaches). A community feed, group chat, direct messages and video events, with cohort groups created automatically when someone enrolls in a program (see group coaching software). A section-based website builder with a blog, custom domain, SEO settings and 30 designed homepage templates, plus booking, application, lead-magnet and checkout funnels. Email lists, broadcasts and multi-step sequences. Michelle, the built-in AI assistant, which builds programs, drafts emails, summarizes recorded sessions and briefs you before each call. ICF credential tracking that counts your hours and distinct clients against ACC, PCC and MCC thresholds (see ICF hour tracking).

Here is a short walkthrough of how programs are built and delivered inside Coachful:

On the marketing side, funnels and the website live in the same account as the client record, so a lead who joins through a lead magnet lands in the same system that later books, bills and coaches them.

What Coachful does not do. It is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. There is no PayPal and no permanent free plan. The client app ships under the Coachful listing with your branding, not under your own App Store account. There is no Garmin, Fitbit, Whoop or Oura sync, and no stock exercise videos. It has no multi-stage sales deal board for large teams, no Salesforce or HubSpot integration, no routing forms that pick a host from form answers, and no third-party plugins. If you rely on PayPal or need a deal pipeline for a sales team, Dubsado or a dedicated CRM may suit you better on that point.

Why Coachful stands out: a free white-glove service. The setup time Dubsado itself describes is the work this takes off your plate. From Create, then "We'll build it for you", you describe what you want built: a website, funnel, offer or sales page, program, course outline, coaching flow, form, email sequence, link in bio, lead quiz, event or automation. You can attach up to 8 reference links and up to 10 files such as logos, brand guides and existing copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Another: a somatic coach leaving Kajabi had the homepage and About page rebuilt and the contact form connected. Read more in our guide to the free white-glove service.

How to start. What other Dubsado alternatives should coaches consider?

The closest Dubsado alternatives are HoneyBook and Bonsai, both admin-first tools like Dubsado, plus coaching platforms if you need delivery. We rank them by one login for the whole client journey, between-session delivery, total stack cost and setup effort.

HoneyBook

HoneyBook's homepage presenting its client management CRM for service businesses
HoneyBook's homepage in October 2026.

HoneyBook is the most direct Dubsado rival: a client-management CRM for service businesses with proposals, contracts, invoices, a scheduler and a client portal. As listed in October 2026, Starter is $29/month billed yearly, Essentials is $59/month ($49 billed yearly) with up to 2 team members, and Premium is $129/month ($109 billed yearly) with unlimited team members. As with Dubsado, the scheduler and automations are not on the entry plan. Payments must run through HoneyBook's own processing, and its pricing page shows conflicting card rates (2.7% + 10¢ in one place and 2.9% + 25¢ in another), so confirm before you sign up. It has a 30-day trial with no card and a Trustpilot score of 4.1 from 748 reviews. Like Dubsado, it has no programs, courses, habits, check-ins or community. Our HoneyBook vs Dubsado comparison covers the two side by side. Pick it over Coachful if you want an admin-only CRM with a more guided setup and you are happy to keep coaching delivery in other tools.

Bonsai

Bonsai's homepage presenting its business management software for freelancers and agencies
Bonsai's homepage in October 2026.

Bonsai is business management for freelancers and agencies: proposals, contracts, invoices, time tracking and projects. It is priced per user on every plan: Basic $15/month ($9 yearly), Essentials $25 ($19), Premium $39 ($29) and Elite $59 ($49) with a minimum of three users, as listed in October 2026. Basic has no invoicing or payments, so most people need Essentials or higher. Its own custom domain feature is marked as expected in 2026. Trustpilot shows 4.3 from 641 reviews. There are no coaching programs, habits, check-ins or community. Pick it over Coachful if you are a consultant who bills by the hour and needs time tracking and project management more than client programs.

Coaching-specific platforms

If you are leaving Dubsado because you need delivery tools, compare coaching platforms rather than another admin CRM. Coachful is our pick for the reasons above. We have also reviewed Paperbell and Practice Better in detail: see our Paperbell review and Practice Better review. The Dubsado alternative page summarizes how a move from Dubsado to Coachful works.

Can you move your data out of Dubsado?

Partly. Contacts export to CSV with fields you choose, and invoices and bookkeeping data can be exported, but forms and templates are not portable (based on older profile data we could not re-check today). Dubsado's information page documents migration into Dubsado, including a free 10-form migration service and bulk client import, but not a way to move your forms out. Plan to rebuild your intake forms, contracts and email templates if you switch. On Coachful, clients, programs and content are imported for you during onboarding, and the white-glove build can recreate an intake form or onboarding flow from a copy of your old one.

What is our final verdict on Dubsado?

Dubsado is a well-made, self-funded client workflow CRM that does proposals, contracts, payments and automated onboarding thoroughly, and Dubsado 3.0 shows it is still investing. For a coach, though, the real price is Premier at $55/month, and even then you get only the admin half of a coaching business. There is no website, no email marketing, no programs, no courses, no habits or check-ins and no client community, so the total stack grows quickly.

Choose Dubsado if your coaching is session or retainer based, you already have a website and email tool you like, and you want deep control over branded paperwork and automation. Choose Coachful if you want the whole client journey, from first click to finished program, in one login, with a free white-glove build to skip the setup weeks. If you are unsure, run both trials in the same week with the same test client and see which one you would rather open every morning.

Dubsado review FAQ

Is Dubsado good for coaches?

Dubsado is good for the admin side of coaching: intake forms, coaching agreements, invoices, payment plans, scheduling and automated onboarding. It does not deliver coaching itself, so there are no programs, courses, habits, check-ins or group community. Session-based coaches fit well; program-based coaches will need extra tools.

How much does Dubsado cost per month?

As listed in October 2026, Starter is $35/month and Premier is $55/month, or $335 and $525 per year. Extra brands are $10/month each, and teams above three extra users pay a tiered add-on. Subscribers from before December 1, 2025 keep their older rates.

Does Dubsado Starter include scheduling?

No. The scheduler, automated workflows (Flows), public proposals, Zapier and QuickBooks Online are Premier features. Starter covers contracts, invoices, forms, client portals, email integration and one active lead form.

Does Dubsado have a free plan?

No. Dubsado has no free plan, but it offers a 21-day trial with full Premier access and no credit card required. It also runs free live demo sessions with Q&A.

Does Dubsado charge transaction fees?

Dubsado states no platform fee of its own; you pay the processor's rates through Dubsado Payments (Stripe), PayPal or Square. An optional surcharge setting can pass card costs on to the client.

Can Dubsado build my coaching website or send newsletters?

No. Dubsado says it does not include website building and is not an email marketing platform. You can embed its lead forms on a site you host elsewhere, and you would use a separate email tool for newsletters and nurture sequences.

Is Dubsado hard to set up?

It takes some time. Dubsado's own FAQ says most users have core templates and workflows running within a week or two, and it offers guides, workshops, a free 10-form migration service and certified specialists you can hire separately. The 3.0 redesign is meant to make onboarding easier than before.

What is Coachful's free white-glove service?

It is a build service included on every Coachful plan. You describe what you want (a website, funnel, program, course outline, email sequence, form or automation), attach up to 8 links and 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design, ad management or ongoing marketing.

Does Coachful support PayPal like Dubsado?

No. Coachful takes payments through your own Stripe Connect or Razorpay account, including Apple Pay and Google Pay, with a 0% Coachful platform fee. If PayPal is essential to your clients, that is a real point in Dubsado's favour.

What is the best Dubsado alternative for coaches?

For coaches who deliver programs, Coachful, because it combines booking, payments, contracts, programs, habits, check-ins, courses, community, website and email in one login. For an admin-only CRM like Dubsado, HoneyBook is the closest match. See our coaching software overview for more options.
