HoneyBook vs Dubsado for Coaches: Which Fits in 2026?

HoneyBook vs Dubsado comes down to one trade. HoneyBook is the more guided client CRM: templates, an onboarding specialist and file setup in your first 90 days, and its own built-in payment processing. Dubsado costs less per year for its full feature set, gives you finer control over forms and automated workflows, and lets you take payments through Stripe, PayPal or Square. For a coach who sells packages and sessions, either one will handle proposals, contracts, invoices and scheduling once you are on its mid-tier plan. Neither one delivers the coaching itself: there are no programs, habits, check-ins, courses or client community in either tool.
Every HoneyBook and Dubsado figure below comes from the vendors' own pricing and product pages as listed in October 2026, unless we mark it as older data. We have not run a hands-on test of either tool, and where a vendor's page contradicts itself we say so. We make Coachful, a coaching platform that covers the delivery side both tools leave out, so we include it as a third option and say plainly where HoneyBook or Dubsado is the better buy.
What is the short answer for coaches?
If you only need to sign, bill and book clients, choose between HoneyBook and Dubsado based on how you want to take payments and how much setup you want to do yourself. If your clients do work between sessions, neither tool is a complete answer on its own.
- Pick HoneyBook if you want the most hand-held start: a 30-day trial with no card, a 60-day money-back guarantee, onboarding help for the first 90 days, QuickBooks Online and SMS reminders from the Essentials plan up, and unlimited team members on Premium. The trade-off is that every client payment runs through HoneyBook Payments.
- Pick Dubsado if you want the lower yearly cost for the full feature set ($525 a year for Premier), PayPal or Square alongside card payments, buy-now-pay-later through Klarna and Affirm, and detailed control over forms and automated workflows, which Dubsado calls Flows.
- Pick Coachful if you run multi-week programs, habits, check-ins, courses or a group community, and you want booking, payments, contracts, your website and your email list in the same account. It replaces the CRM and the delivery tools at once, with one login for you and one branded app for your clients.
The rest of this article backs each of those lines with prices, plan limits and the gaps that only show up after a client has signed.
What are HoneyBook and Dubsado?
Both are client-management CRMs built for service businesses in general, not for coaching in particular. They are strongest at the paperwork side of a client relationship: the inquiry, the proposal, the contract, the invoice and the booking.
HoneyBook
HoneyBook bundles proposals, contracts and invoices into client-facing documents it calls smart files, and adds a calendar, templates, a client portal, basic reports and HoneyBook AI on its Starter plan. The scheduler, automations, QuickBooks Online, SMS reminders and the option to remove "Powered by HoneyBook" from what clients see all start on Essentials. HoneyBook is also the payment processor: you cannot connect your own Stripe or PayPal account. On Trustpilot it shows 4.1 from 748 reviews as of October 2026. For a deeper look, see our HoneyBook review.

Dubsado
Dubsado is built around forms, contracts, invoices, a scheduler and automated workflows. Its Starter plan includes invoicing, contracts and a client portal, but no scheduler and no automated workflows; those arrive on Premier, along with a bookkeeping integration, public proposals and Zapier. Dubsado states that it does not include website building and is not an email marketing platform. Its mobile app is a companion: full functionality needs the desktop web app. Dubsado's Trustpilot page held a single review in October 2026, which tells you nothing either way.

How do HoneyBook and Dubsado compare side by side?
Dubsado is cheaper for full features and more flexible on payments; HoneyBook is more guided and scales to larger teams. Both put scheduling and automations behind the second plan, and neither delivers programs or between-session work.

How we rank: one login for the whole client journey, between-session delivery, total stack cost, and setup effort, including Coachful's free white-glove build.
| Tool | Best for | Entry price (October 2026) | Scheduler and automations | Payments | Between-session delivery | Trial |
|---|---|---|---|---|---|---|
| Coachful | Coaches who deliver programs and want one login for the whole client journey | Lite: $29/month for up to 5 clients | Included in your Coachful membership | Your own Stripe Connect or Razorpay account; 0% platform fee; no PayPal | Programs, habits, check-ins, courses, community, branded client app | A free trial |
| HoneyBook | Service businesses that want a guided client CRM | Starter: $29/month billed annually | Essentials and up ($49/month annual, $59 monthly) | HoneyBook Payments only (cards, ACH) | None | 30 days, no card |
| Dubsado | Service businesses that want custom forms and workflows | Starter: $35/month or $335/year | Premier only ($55/month or $525/year) | Dubsado Payments (Stripe), PayPal, Square | None | 21 days of Premier, no card |
The table hides one practical point. On both tools, the cheapest plan is a paperwork plan. A coach who needs clients to book a call from a link, and wants a reminder sequence to run after they do, is really choosing between HoneyBook Essentials and Dubsado Premier. That is the fair comparison, and it is the one we use for the cost examples below.
How much do HoneyBook and Dubsado cost in 2026?
Dubsado Premier costs $525 a year or $55 a month. HoneyBook Essentials, the closest match, costs $49 a month billed annually ($588 a year) or $59 a month. At the entry level, HoneyBook Starter is $29 a month on annual billing and Dubsado Starter is $335 a year or $35 a month.

HoneyBook's pricing page, as listed in October 2026, shows annual-billed prices of $29, $49 and $109 a month for Starter, Essentials and Premium. The $59 and $129 monthly prices appear struck through as "25% off" references, and Starter's monthly-billed price is not shown at all (our September 2026 profile recorded it as $36). The page also runs time-limited promotions of 25%, 40% or 50% off, so the number you see on a given day can differ. For context, HoneyBook raised its monthly prices in February 2025 from $19, $39 and $79 to $36, $59 and $129, according to our September 2026 profile. Lead forms are capped by plan: 2 live forms on Starter, 10 on Essentials and unlimited on Premium. Essentials allows up to 2 team members; Premium allows unlimited team members and multiple companies. Our HoneyBook pricing breakdown covers each tier in detail.

Dubsado's pricing page shows yearly totals only: $335 for Starter and $525 for Premier. The monthly prices of $35 and $55 come from Dubsado's official AI information page. These prices apply to new subscribers since December 1, 2025; people who joined earlier keep their old rates. Starter allows 1 active lead-capture form; Premier allows unlimited forms. Dubsado's pricing includes up to 3 additional team members, then charges $25 a month extra for 4 to 10 users, $45 for 11 to 20, $60 for 21 to 30, and asks larger teams to contact sales. Each additional brand costs $10 a month. Our Dubsado pricing guide goes through the old and new rates.
| Tool | Entry plan | Mid plan | Top plan | Trial and guarantee | Notes |
|---|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients | A free trial; monthly plans cancel in one click | Flat monthly plans; lower plans cap clients; Pro is unlimited; team plans add coach seats |
| HoneyBook | Starter: $29/month billed annually (monthly price not shown) | Essentials: $49/month annual, $59 monthly | Premium: $109/month annual, $129 monthly | 30 days, no card; 60-day money-back guarantee | Promotions of 25% to 50% off appear on the page |
| Dubsado | Starter: $335/year ($27.92/month) or $35 monthly | Premier: $525/year ($43.75/month) or $55 monthly | Premier is the top plan; extra users from $25/month | 21 days of full Premier access, no card | Rates apply to subscribers since December 1, 2025 |
What does the first year actually cost?
Here is an illustrative example, not a quote. Take a solo coach who needs a booking link and automated follow-up, so HoneyBook Essentials or Dubsado Premier, and who collects $10,000 a year by card in 40 payments of $250.
| Tool | Plan needed | Year one, annual billing | Year one, monthly billing | Card processing in this example |
|---|---|---|---|---|
| Coachful | A plan covering 15 clients | Solo: $49/month for up to 20 clients | Flat monthly plan, cancel in one click | Your Stripe or Razorpay rate; 0% Coachful platform fee |
| HoneyBook | Essentials | $588 | $708 | About $274 at 2.7% + 10¢, or $300 at 2.9% + 25¢ (the page lists both) |
| Dubsado | Premier | $525 | $660 | Processor rates; no Dubsado platform fee stated |
Two things in that table deserve a closer look. First, HoneyBook's card fee is shown inconsistently: the FAQ says 2.7% + 10¢, while the plan comparison shows 2.9% + 25¢. Ask HoneyBook which applies to your account before you commit. ACH is 1.5%, and instant deposit costs 1% on top. Second, the subscription is rarely the whole bill. HoneyBook's plans, as listed in October 2026, do not include a website builder, course hosting or a client community, and Dubsado says it offers neither website building nor email marketing. A coach on either tool usually adds a website builder, an email platform and a course or community tool, each with its own subscription. That stack is where the totals drift apart, and it is the main reason coaches compare an all-in-one coaching platform at this point.
Which is better for proposals, contracts and invoices?
HoneyBook gives you more on its entry plan: proposals, contracts and invoices are all on Starter, combined into smart files. Dubsado Starter has contracts and invoicing, but public proposals only arrive on Premier.
For a coach, the practical flow is the same on both: a prospect accepts an offer, signs your coaching agreement and pays the first invoice or sets up a payment plan. HoneyBook's approach keeps those steps in one client-facing document, which suits a simple package sale. Dubsado is built around forms you configure yourself, which suits coaches who want more control over each step and don't mind the setup time.
On the legal side, electronic signatures on contracts are generally recognised in the US under the ESIGN Act, and similar rules exist in other countries. What your agreement needs to say (refunds, cancellations, confidentiality, the limits of coaching) varies by country and state, so check with an attorney before you rely on any template.
Coachful handles the same step with coaching agreements sent for e-signature before the first call and stored on the client record, alongside invoices generated per transaction plus manual invoices when you need one. Our guide to coaching contracts covers what to include, and invoicing coaching clients without HoneyBook walks through the billing side.

Which is better for scheduling coaching sessions?
On features they are close; on price, Dubsado Premier is slightly cheaper per year than HoneyBook Essentials. Neither tool includes its scheduler on the entry plan: HoneyBook Starter has a calendar but the scheduler starts on Essentials, and Dubsado's scheduler is Premier only.
HoneyBook adds SMS reminders on Essentials, which matters if your clients miss email. Dubsado's scheduler comes in the same Premier plan as its Flows and Zapier, so you get booking and automation in one upgrade. If you are tempted to keep the cheapest plan of either tool and bolt on a separate scheduler, price that option honestly: our Calendly pricing guide shows what a standalone booking tool adds per month.
Coaching scheduling has a few needs that general service CRMs were not designed around: recurring sessions inside a program, session credits from a package, and group calls. Coachful's booking pages include availability rules, buffers, minimum notice and time-zone detection; two-way Google, Apple/iCloud and Outlook calendar sync; built-in video or auto-created Zoom, Meet and Teams links; email reminders plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled; paid sessions and session credits; intake questions on booking; and round-robin or least-busy assignment when several coaches share a session type. More detail is on our coaching scheduling software page.

How do HoneyBook automations compare with Dubsado Flows?
Both put automation on the second plan. Dubsado's Premier pairs its Flows with Zapier, so workflows can reach other apps you already use. HoneyBook's automations on Essentials sit next to QuickBooks Online and SMS reminders, which suits a coach who wants fewer moving parts.
For most coaches, automation means four jobs: send the agreement and invoice when a prospect says yes, send a welcome and intake form after payment, remind clients before sessions, and follow up when a package is about to end. Either tool can carry the first three. The fourth, and anything that depends on what the client did between sessions, is where both run out of information, because neither tracks program progress, habits or check-ins. Our guide to running client onboarding without Dubsado maps out a full onboarding sequence step by step.
Coachful's email side covers lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits, and the account that sends those emails also holds each client's program progress, check-ins and habits.

Which takes payments better for coaches?
Dubsado, clearly, if payment choice matters to you. It supports Dubsado Payments (built on Stripe, with cards, ACH, Klarna, Affirm and Tap to Pay), plus PayPal and Square, and its pricing page lists no Dubsado platform fee. HoneyBook only works with HoneyBook Payments.
HoneyBook's single processor has an upside: there is nothing to connect, and the money side is part of the same account. It also offers instant deposit for 1%, HoneyBook Capital loans for eligible accounts, a HoneyBook Balance checking account, and discounted rates for Premium accounts processing over $500,000 a year. The downside is lock-in. If you ever want to change processors, you change software, and your payment history lives inside HoneyBook.
Dubsado's flexibility includes optional surcharging, which passes card costs on to the client. Whether that is allowed, and how you must disclose it, depends on your state or country and your card network rules, so check with an accountant or attorney before you switch it on.
Coachful runs payments through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax, with a 0% Coachful platform fee since August 2026. The money and the customer records stay in your own processor account. It does not support PayPal, so if many of your clients pay that way, Dubsado has the edge here. See our coaching payment software page for the full list.

What do your clients experience in each?
In both tools, the client experience is mostly documents: they receive a proposal or form, sign, pay and book, and they can open a client portal to find those files again. HoneyBook includes its client portal on Starter; Dubsado includes one on Starter too.
Branding is where the plans differ. On HoneyBook Starter, client-facing files carry "Powered by HoneyBook"; removing it requires Essentials. Dubsado lets you add extra brands at $10 a month each, which helps if you run two businesses under one account.
What neither portal gives a coaching client is a reason to come back between sessions. Once the contract is signed and the invoice paid, there is no program week to open, no habit to tick, no check-in to answer and no group to post in. For a one-off consultation that is fine. For a 12-week program it means the delivery lives somewhere else, usually in email, a shared document or a separate course tool.
Coachful gives each client a home and an app in your branding (delivered inside the Coachful app, not under your own App Store listing), where they find their program, sessions, progress, documents, courses and community in one place.

What does neither HoneyBook nor Dubsado do for coaches?
Neither tool delivers coaching. There are no multi-week programs, habits, check-ins, courses or client community in HoneyBook or Dubsado, and neither lists coaching-specific tools such as ICF hour tracking.
| Tool | Contracts and invoices | Scheduler | Automations | Website and funnels | Email marketing | Programs, habits, check-ins | Courses and community |
|---|---|---|---|---|---|---|---|
| Coachful | Agreements with e-signature, invoices per transaction | Included, with session credits and group calls | Sequences with triggers, delays, branching, A/B splits | Website builder, 30 homepage templates, funnels | Lists, broadcasts, sequences | Included | Included |
| HoneyBook | Starter and up (smart files) | Essentials and up | Essentials and up | Not listed in its plans | Not listed in its plans | No | No |
| Dubsado | Starter and up; public proposals on Premier | Premier | Premier (Flows, Zapier) | No, per Dubsado | No, per Dubsado | No | No |
Data portability is worth checking before you commit to either one. According to our September 2026 profiles, HoneyBook exports contacts and clients to CSV, but smart files and templates do not export in a reusable format. Dubsado exports contacts to CSV with selectable fields and lets you export invoices and bookkeeping data, while forms and templates are not portable. In practice, if you leave either tool you take your contact list and rebuild your documents and workflows elsewhere.

Which should you pick for your kind of coaching practice?
Match the tool to how your clients buy and how you deliver. Here is how we would choose for common coaching setups.
A new coach signing the first few clients
If you only need an agreement and an invoice, HoneyBook Starter or Dubsado Starter will do the paperwork. The catch is that neither lets clients book from a link on that plan, so you will either upgrade quickly or add a scheduler. A new coach who also needs a website and a first offer page is usually better served by one platform from day one. Our page for new coaches shows that setup.
A 1:1 coach selling sessions and packages
This is where HoneyBook and Dubsado fit best. Pick HoneyBook Essentials if you want guided setup and SMS reminders; pick Dubsado Premier if you want PayPal or Square and a lower yearly bill. If your packages include work between calls, such as reflection prompts, goals or accountability, you will still need somewhere to deliver it.
A group or program coach
Neither tool is built for this. Cohorts, weekly modules, check-ins and a group space are what a program coach sells, and both tools stop at the invoice. Coachful creates cohort groups automatically when clients enroll in a program and runs group calls and webinars in the same account. See our group coaching software page.
A health, wellness or fitness coach
Coaching is not medical treatment. If a client describes symptoms, a diagnosis, an eating disorder or a mental health crisis, refer them to a licensed clinician. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing; if you need that, check HoneyBook's and Dubsado's own documentation before storing health information in either. For non-clinical coaching, Coachful's Fitness & Nutrition pack adds a workout builder, nutrition targets, meal plans, progress photos and weekly check-ins. More on our health coaches page.
A coach with a team or two brands
HoneyBook Premium allows unlimited team members and multiple companies. Dubsado includes up to 3 additional team members and charges for more, plus $10 a month per extra brand. Coachful's Studio and Agency team plans add coach seats with per-coach availability and staff permissions; see Coachful for teams.
A coach who also runs a non-coaching service business
If coaching is one service among photography, design or events, HoneyBook or Dubsado is the better fit, because both are designed for general service businesses and handle that mix without asking you to think in programs.
Is there a third option? When Coachful beats both, and when it does not

Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs rather than only sessions, solo coaches growing into a small team, and coaches replacing four to six separate tools. The company is based in Tallinn, Estonia, and holds a Trustpilot score of 4.5 from 21 reviews.
Where it does more than HoneyBook and Dubsado for a coaching practice:
- Delivery between sessions. Multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks.
- A client record that shows progress. Goals, check-ins, habits, notes, intake answers, tags, payments and sessions in one place, with each client marked thriving, active, quiet or at risk.
- Courses and community. Modules, lessons, drip and completion tracking; a community feed, group chat, direct messages and video events.
- Website, funnels and email. A section-based website builder with a blog and custom domain; booking, application, lead-magnet and checkout funnels; email sequences.
- Michelle, the built-in AI assistant. It works from your live practice data to build programs, draft emails, summarize recorded sessions and brief you before a call. Questions and planning are included in your Coachful membership; confirmed builds use AI credits.
- ICF credential tracking. Coaching hours and distinct clients counted against ACC, PCC and MCC thresholds, with an exportable ICF client coaching log. See ICF hour tracking.
This short walkthrough shows how a client journey is set up in Coachful:
Why Coachful stands out: a free white-glove service. On every plan, you can open Create and choose "We'll build it for you", describe what you need (a website, funnel, sales page, program, course outline, email sequence, form or something else), attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and any gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing. In one recent build, a somatic coach leaving Kajabi had their homepage and About page rebuilt and the contact form connected. In another, a business mentor for beauty professionals got a 12-week mentorship sales page, a start-up guide funnel and rewritten follow-up emails. Read more about the white-glove service.

Where Coachful does not beat them, honestly:
- No PayPal; payments run through Stripe Connect or Razorpay only.
- Its integration list does not include QuickBooks; Zapier is the route for bookkeeping tools, while HoneyBook Essentials and Dubsado Premier both include a bookkeeping integration.
- Not HIPAA-certified, and not for clinical records or insurance billing.
- No multi-stage sales deal board for large teams, no Salesforce or HubSpot integration, and no routing forms that pick a host from form answers.
- Not a general website builder for non-coaching businesses, and no third-party plugins.
- No permanent free plan.
HoneyBook. Pick it over Coachful if coaching is one service among several in a general service business, you want a 30-day trial and a 60-day money-back guarantee, and you only need proposals, contracts, invoices and booking. Compare the two in detail on Coachful vs HoneyBook, or see our ranked HoneyBook alternatives for coaches.
Dubsado. Pick it over Coachful if your clients pay by PayPal or Square, you want buy-now-pay-later through Klarna or Affirm, or you run several brands from one account and only need forms, contracts, invoices and workflows. The full side-by-side is on Coachful vs Dubsado, with more on the Dubsado alternative page.
How to start: begin with a free trial, request a white-glove build of whatever you need first (usually the website or your main program), and have your clients, programs and content imported for you during onboarding. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. If you are leaving HoneyBook specifically, the HoneyBook alternative page is the next read.
Frequently asked questions
Is HoneyBook or Dubsado cheaper?
Dubsado is cheaper for its full feature set: Premier costs $525 a year or $55 a month, while HoneyBook Essentials costs $588 a year on annual billing or $59 a month. At the entry level, HoneyBook Starter is $29 a month billed annually and Dubsado Starter is $335 a year. Prices are as listed in October 2026, and HoneyBook often runs promotions.
Which has the better free trial?
HoneyBook offers 30 days with no credit card and a 60-day money-back guarantee. Dubsado offers 21 days with full Premier access and no credit card. Dubsado's trial lets you test its top plan, including the scheduler and Flows, before you choose.
Can I use PayPal with HoneyBook?
No. HoneyBook processes payments only through HoneyBook Payments, which handles cards and ACH. Dubsado supports PayPal and Square alongside Dubsado Payments, which is built on Stripe.
Does Dubsado's Starter plan include scheduling?
No. Dubsado Starter includes invoicing, contracts and a client portal, but the scheduler and automated workflows are Premier only. HoneyBook works the same way: its scheduler and automations start on Essentials, not Starter.
Is HoneyBook or Dubsado better for life coaches?
For a life coach who sells sessions, either works on its mid-tier plan; choose HoneyBook for guided setup or Dubsado for payment choice and lower yearly cost. If your coaching includes goals, habits or check-ins between sessions, neither tool delivers that, and a coaching platform fits better. Our life coaches page shows that setup.
Can I build my coaching website in HoneyBook or Dubsado?
Dubsado states that it does not include website building, and HoneyBook's plans, as listed in October 2026, do not list a website builder. Coaches on either tool usually pair it with a separate website builder. Coachful includes a section-based website builder with a blog, custom domain and 30 designed homepage templates.
Can I move my data out of HoneyBook or Dubsado later?
Both export contacts to CSV. According to our September 2026 profiles, HoneyBook's smart files and templates, and Dubsado's forms and templates, do not export in a reusable format, so plan to rebuild documents and workflows if you switch. Dubsado also exports invoices and bookkeeping data.
What is Coachful's free white-glove service?
It is a build service available on every Coachful plan: you describe what you want (a website, funnel, program, course outline, email sequence or form), attach links and files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include video recording, logo design, ads or ongoing marketing. Details are in our white-glove service guide.
Is Coachful HIPAA-compliant?
No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not suited to clinical record-keeping or insurance billing. It is built for coaching, which is not medical treatment; refer clients to a licensed clinician when their needs go beyond coaching.
