ActiveCampaign vs Mailchimp for Coaches: An Honest 2026 Pick

ActiveCampaign vs Mailchimp for Coaches: An Honest 2026 Pick

If you are weighing activecampaign vs mailchimp as a coach, here is the short version: ActiveCampaign is the stronger automation engine for a coach who lives on segmented email sequences, and Mailchimp is the cheaper, simpler way to send a newsletter to a small list. Neither one books sessions, takes payment for coaching, stores client notes or delivers a program, so whichever you pick, you will still be paying for a scheduler, a checkout and somewhere to run the actual coaching. That last point is why this comparison ends with a third option.

We make Coachful, a coaching platform that includes email alongside booking, payments and client delivery, so we have a stake in this question. We have kept the ActiveCampaign and Mailchimp facts to what each company documents on its pricing page and help center as listed in October 2026, and to what public reviewers report. We have not run hands-on tests of either tool, and we say so wherever it matters.

ActiveCampaign vs Mailchimp: what is the short answer for coaches?

Pick ActiveCampaign if email automation is the core of how you sell; pick Mailchimp if you mainly send a regular newsletter and want to start for free. Pick neither if what you really need is one place to run clients from first enquiry to final session.

  • You run long, branching nurture sequences (a lead magnet, a webinar follow-up, a re-engagement series) and want to tag and score leads by behaviour: ActiveCampaign. Even its Starter plan includes multi-step automation and 950+ automation recipes, though each automation is capped at 5 actions on Starter.
  • You have under 250 contacts and send one newsletter a month: Mailchimp's Free plan covers that, with 500 sends per month and Mailchimp branding on your emails. It has no automation flows.
  • You want landing pages cheaply: Mailchimp, whose landing pages are listed as free to all users. ActiveCampaign only adds landing pages on Plus.
  • You need booking and Stripe purchase data inside your automations: ActiveCampaign Plus or higher, which adds Calendly, Acuity Scheduling, Eventbrite, PayPal and Stripe integrations. Mailchimp relies on its 300+ integrations for anything coaching-specific.
  • You want email, booking, payments, contracts, programs and a client app under one login: neither tool does this. That is where Coachful fits, and we cover it honestly further down, including when it is the wrong choice.

If you already know you are leaving one of these tools, our guides to ActiveCampaign alternatives for coaches and Mailchimp alternatives for coaches go wider than this head-to-head.

How do ActiveCampaign and Mailchimp compare side by side?

Ranked for coaches on four things: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including a free white-glove build).

ActiveCampaign describes itself as a marketing automation platform, and its plan structure reflects that: automation sits at the centre and everything else (landing pages, sales tools, CRM pipelines) is layered on through higher plans and add-ons.

Mailchimp is broader and lighter. You get newsletters, signup and popup forms, landing pages, automation flows (renamed from Customer Journey Builder in June 2025) and a simple website builder, with the deeper automation reserved for its Standard plan.

How much do ActiveCampaign and Mailchimp cost?

At the smallest tiers, Mailchimp is cheaper: it has a free plan and paid plans from $13 per month for 500 contacts, while ActiveCampaign starts at $15 per month billed yearly for 1,000 contacts. Both tools price by contact count, so the real comparison depends on your list size and which automation features you need.

A few details change the math:

  • ActiveCampaign's rendered pricing page shows yearly billing only. The monthly-billing prices above come from the page's own pricing catalog, whose yearly totals match the displayed prices. At 2,500 contacts, Starter is $49 monthly or $39 per month yearly, Plus $119 or $95, Pro $189 or $149, and Enterprise $319 or $255.
  • ActiveCampaign add-ons are where the bill grows. The Enhanced CRM Pipelines add-on on Plus has a base of $49 per month on monthly billing plus $19 per seat per month, according to the pricing catalog. SMS, WhatsApp messaging and transactional email are sold separately.
  • ActiveCampaign states "There are no setup costs or hidden fees" and offers a 30-day refund guarantee on paid plans, on top of a 14-day trial with no credit card.
  • Mailchimp's prices above the base tier are set by its contact selector, and we did not capture the 1,000 or 2,500 contact prices, so check the selector yourself before comparing like for like.
  • Mailchimp counts a contact once per audience. If the same person sits in two audiences, you pay for them twice. Paid plans also bill overages when you exceed contact or send limits, and on the Free plan "Sending will be paused".
  • Mailchimp's trial requires payment details and runs 14 days on Essentials or Standard in select countries. Nonprofits get 15% off, and new customers with 10,000+ contacts get 15% off the first 12 months.

What does a coach's full stack cost with each?

Email is rarely the whole bill. Here is an illustrative example of a solo coach with about 1,000 contacts who wants automated welcome sequences, online booking and paid sessions. These are example configurations, not quotes:

  • With ActiveCampaign: you need Plus ($49 per month yearly, $59 monthly) to connect Calendly or Acuity and Stripe. Then add the scheduler's own subscription, Stripe's processing fees, and a place to deliver the program (a course tool or client portal). See our Calendly pricing breakdown for that piece.
  • With Mailchimp: Standard is the plan that unlocks multi-step flows with branching. At 500 contacts it is $20 per month, and the 1,000 contact tier costs more. Booking, payments and delivery are all separate tools on top.
  • With Coachful: email, booking, payments through your own Stripe account and program delivery sit in one subscription (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients), with only Stripe or Razorpay processing on top.

Which has better email automation for coaching funnels?

ActiveCampaign has the deeper automation, and it starts earlier in the plan ladder. Mailchimp's real automation only begins on Standard; its Essentials plan caps each flow at 4 steps.

ActiveCampaign's Starter plan already includes multi-step marketing automation, AI-powered automation and campaign builders, 950+ automation recipes and 250+ email templates. The catch for coaches is the 5-actions-per-automation cap on Starter, and that Starter automation is email-only. Plus removes the action limit. Pro adds split automations, an automations map, predictive sending and conditional content, which is useful if you segment by offer or stage and want different paragraphs for different readers.

Mailchimp's Standard plan allows up to 200 automation flows with up to 200 steps each, with branching, plus dynamic content and predictive segmentation. That covers most coaching sequences: a free guide, a five-email nurture, an invitation to book a call, and a branch for people who clicked the sales page. On Essentials, a 4-step limit means a welcome series and not much more. On Free, there are no flows at all.

For a typical coaching funnel, either tool's middle plan is enough. ActiveCampaign is the better fit when your automations react to behaviour across many touchpoints (site visits, purchases through Stripe, bookings through Calendly) and you want lead scoring, which shows up in its contact export as lead and deal scores.

What about AI writing help?

Both include AI features. ActiveCampaign includes 500 AI credits on every plan and adds generative AI for content and images from Plus. Mailchimp's Standard plan includes generative AI (Intuit Assist) at no extra cost. Neither AI knows anything about your coaching clients, because neither tool holds that information.

Which is better for landing pages, forms and a website?

Mailchimp wins on cost here: landing pages are free to all Mailchimp users and can use your own domain, while ActiveCampaign Starter has only standard and inline forms and no landing pages.

ActiveCampaign adds landing pages, site messages and custom-branded forms on Plus. It does not offer a website builder. Mailchimp includes popup and signup forms on every plan, landing pages, and a free website on a mailchimpsites.com address. A custom domain for that website needs a paid Websites plan, whose price is not shown on the current pricing page.

For a coach, a landing page is usually the start of a funnel that ends in a booked call or a purchase. Neither tool finishes that journey on its own: the call goes to a scheduler and the payment goes to a checkout tool. If you want the page, the booking and the checkout in one place, see our coach website builder and the funnel section below.

Can either tool handle booking, payments and contracts?

No. Neither ActiveCampaign nor Mailchimp has a built-in booking calendar, a coaching checkout, invoicing or e-signature contracts. Both connect to tools that do.

  • Booking: ActiveCampaign integrates with Calendly, Acuity Scheduling and Eventbrite from Plus. Mailchimp leaves session booking to its integrations.
  • Payments: ActiveCampaign does not process payments. Its PayPal and Stripe integrations (Plus and up) feed purchase data into automations so you can, for example, start an onboarding sequence after a sale. Mailchimp's marketing pricing page does not cover selling or checkout processors.
  • Contracts: neither offers coaching agreements with e-signature.

That is not a flaw in either product; they are email tools. It just means the realistic comparison for a coach is "ActiveCampaign plus a scheduler plus a checkout plus a delivery tool" against "Mailchimp plus the same three". Each connection is another login, another bill and another place for a client record to drift out of date.

How do they handle contacts, CRM and data export?

ActiveCampaign has the stronger contact CRM, but deal pipelines are a paid add-on. Mailchimp organises contacts into audiences, and splitting people across audiences raises your bill.

ActiveCampaign's contacts carry tags, custom fields and lead and deal scores. Pipelines (a board of deals by stage) need the Enhanced CRM add-on on Plus or higher. Exports go to CSV with standard and custom fields, scores and tags in one column, with a download link that stays valid for 7 days. Contact notes cannot be exported, which matters if you have been using them as session notes.

Mailchimp exports the whole account as a ZIP once every 24 hours: audiences as CSV files split by status, a campaigns file with HTML and text content, reports, templates and more. Billing statements and deleted audiences are not included.

For a pipeline that tracks coaching enquiries rather than sales deals, our guide on managing coaching pipelines without ActiveCampaign walks through a simpler setup, and the coaching CRM page shows how Coachful keeps leads and clients in the same record.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

What does the client experience look like with each?

With either tool, your client experiences you as emails in their inbox and nothing more. There is no client login, portal, app, program view, habit tracker or check-in.

That is fine if your coaching happens entirely on calls and you only email between them. It is a gap if you run multi-week programs where clients should see this week's task, tick off habits and answer a check-in. With ActiveCampaign or Mailchimp, that part lives in another tool (often a course platform, a shared document or a messaging app), and the client switches between three or four places. If you are pricing a course platform to fill the gap, our Kajabi pricing guide shows what that layer typically adds.

Deliverability and support are the other part of the experience. Public reviewers on Trustpilot rate both tools low: ActiveCampaign at 2.7 from 1,452 reviews and Mailchimp at 2.5 from 1,555 reviews (seen 28 October 2026; ActiveCampaign's star image shows 2.5 while its heading shows 2.7). Review sites skew toward unhappy customers, so treat this as a prompt to read recent reviews about billing and support, not a verdict on the software.

Whichever tool you use, the email rules are the same. In the United States, the FTC's CAN-SPAM compliance guide explains the requirements for commercial email, such as a working unsubscribe and an accurate sender. Check with an attorney if you email clients in several countries, because the rules vary.

Which should you pick: ActiveCampaign or Mailchimp?

Match the tool to how you sell. Here is how we would decide for common coaching situations, using only what each vendor documents.

One more option sits between these two. If you like Mailchimp's simplicity but want built-in bookings and digital product sales, MailerLite lists both, with paid plans from $12 per month for 500 subscribers as listed in October 2026. We compare it directly in Mailchimp vs MailerLite.

A note for health coaches: coaching is not medical treatment. If clients share diagnoses or you work alongside clinicians, keep clinical records in a clinical system and refer out when symptoms need a doctor. Coachful is not HIPAA-certified and does not sign a BAA. Our page for health coaches explains how coaches set up that split.

Is there a third option that beats both for coaches?

For most coaches who sell programs, yes: a coaching platform with email built in removes the scheduler, checkout and delivery tools that both ActiveCampaign and Mailchimp leave you to buy. For a coach whose business is mainly a large newsletter, no; a dedicated email tool is still the better choice.

What Coachful is

Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing four to six tools. Coachful is based in Tallinn, Estonia, and holds a Trustpilot rating of 4.5 from 21 reviews.

How Coachful's email compares

Coachful includes email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits. That covers the nurture sequences most coaches build in ActiveCampaign Plus or Mailchimp Standard. The difference is what the sequence can see: because the same account holds bookings, payments, programs and check-ins, your emails sit next to the full client record rather than a contact with tags.

Funnels, booking and payments in the same account

Coachful's funnels cover booking, application, lead-magnet and checkout journeys, with Meta Pixel and UTM tracking, and about 25 funnel templates to start from. The section-based website builder includes a blog, custom domain, SEO settings and 30 designed homepage templates.

Booking pages include availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync and built-in video or auto-created Zoom, Meet or Teams links. Reminders go by email, plus SMS and WhatsApp once messaging is enabled. See the scheduling software page for detail.

Payments run through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons and refunds, with Apple Pay and Google Pay. Coachful has charged a 0% platform fee since August 2026, so only Stripe or Razorpay processing applies. Coaching agreements with e-signature go out before the first call and are stored on the client record. More on the coaching payment software page.

What clients see between sessions

This is the part neither email tool attempts. Clients get multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks, plus courses, a community feed and group chat, all inside your branded home in the Coachful app.

Michelle, the built-in AI assistant, works from that live practice data: it drafts emails and content, builds programs, summarises recorded sessions and briefs you before each call. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. See the AI coaching assistant page.

When Coachful beats both

  • You sell programs or packages and want email, booking, checkout, contracts and delivery under one login.
  • You are paying for ActiveCampaign or Mailchimp plus a scheduler plus a course or portal tool, and the combined bill and logins have become the problem.
  • You want clients to have an app with their program, habits and check-ins, not just an inbox.
  • You would rather have the setup done for you than wire integrations together.

When Coachful does not beat them

  • Your business is the newsletter. If you send to a large list and need predictive sending, conditional content or advanced attribution, ActiveCampaign Pro is built for that.
  • You need HIPAA support. ActiveCampaign Enterprise lists it; Coachful is not HIPAA-certified.
  • You want a permanent free plan. Mailchimp has one for up to 250 contacts; Coachful has a free trial but no permanent free plan.
  • You need PayPal checkout, a Salesforce or HubSpot integration, or a multi-stage sales deal board for a large team. Coachful offers none of these.
  • You want SMS marketing campaigns. Both email tools sell SMS add-ons; Coachful's SMS covers session reminders once messaging is enabled.

How do you start with Coachful if you are moving from ActiveCampaign or Mailchimp?

Start a free trial, then ask the Coachful team to build or move the pieces for you. Clients, programs and content are imported for you during onboarding.

Why Coachful stands out: a free white-glove service. From Create > We'll build it for you, you describe what you want built: a website, funnel, sales page, program, course outline, email sequence or newsletter, lead quiz, automation and more. You can attach up to 8 reference links and up to 10 files such as logos, photos, brand guides and existing copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and any gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

Coachful Create page with the We'll build it for you card
The "We'll build it for you" card on Coachful's Create page.

Recent anonymised builds give a sense of scope. A business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up guide funnel and rewritten follow-up emails. A leadership coach with a website renewal days away got one clean homepage with a repeated "talk with me" button. A real-estate and money coach got a year-long cohort program with an application form, an eight-page site and a free nine-day bootcamp funnel.

A practical migration order from either email tool:

  1. Export your contacts. In ActiveCampaign, export all contacts to CSV from the Contacts overview (notes do not export, so copy anything important first). In Mailchimp, export the account ZIP and use the subscribed audience CSV.
  2. List your live sequences. Write down each automation's trigger, delays and emails. Send that list with your build request so the team can rebuild them as Coachful sequences.
  3. Move booking and payments. Connect your Stripe account and calendar, then point your booking links at Coachful.
  4. Run both in parallel briefly. Keep the old tool until your new sequences have sent once, then cancel. Coachful's monthly plans cancel in one click if it is not a fit.

Frequently asked questions

Is ActiveCampaign better than Mailchimp for coaches?

For automation, yes: ActiveCampaign offers multi-step automation from its Starter plan and deeper segmentation on Pro. For a small newsletter list, Mailchimp is cheaper and has a free plan. Neither handles booking, payments or client delivery, which most coaches also need.

Is Mailchimp cheaper than ActiveCampaign?

At the smallest tiers, yes. Mailchimp is free for 250 contacts and Essentials starts at $13 per month for 500 contacts, while ActiveCampaign Starter is $15 per month billed yearly or $19 monthly for 1,000 contacts, as listed in October 2026. Compare at your own list size, since both scale with contacts.

Does Mailchimp's free plan include automation?

No. The Free plan covers up to 250 contacts and 500 sends per month but has no automation flows or email scheduling. Essentials adds flows of up to 4 steps, and Standard allows up to 200 steps with branching.

Does ActiveCampaign have a free plan?

No. It offers a 14-day free trial with no credit card, and paid plans carry a 30-day refund guarantee.

Can ActiveCampaign or Mailchimp book coaching sessions?

Not on their own. ActiveCampaign connects to Calendly, Acuity Scheduling and Eventbrite on Plus and higher, and Mailchimp relies on integrations. You still pay for the scheduler separately.

Which is easier to leave later?

Both export contacts. ActiveCampaign exports contacts to CSV with fields, tags and scores, but not contact notes. Mailchimp exports an account ZIP with audiences, campaigns and reports once every 24 hours.

Can I replace both with Coachful?

If your email is mainly nurture sequences and client broadcasts, yes: Coachful includes lists, broadcasts and multi-step sequences with branching and A/B splits, alongside booking, payments and programs. If you run a large newsletter that depends on predictive sending or advanced attribution, keep a dedicated email tool.

What is Coachful's free white-glove service?

It is a build service included on every plan: you describe a website, funnel, program, email sequence or other piece, attach references, and the Coachful team builds it in your account, usually within about 24 hours. It does not include video recording, logo design, ads or ongoing marketing.

Is Coachful HIPAA-compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA, so clinical records belong in a clinical system. Among the two email tools, only ActiveCampaign Enterprise lists HIPAA support.

Does Coachful take a cut of my payments?

No. Coachful has charged a 0% platform fee since August 2026; you pay only Stripe or Razorpay processing on your own account.
