The 12 Best AI Tools for Wellness Coaches, Compared

The 12 Best AI Tools for Wellness Coaches, Compared

The best AI tools for wellness coaches are the ones that keep clients practising between sessions, not just the ones that write faster captions. A wellness client rarely fails in the call. They fail on a Tuesday evening, three weeks in, when the sleep routine slips and nobody notices. So the deciding question is simple: does the AI see what your clients actually do between sessions, and can it help you act on it, or does it only draft words in a blank chat window?

Our pick is Coachful, because its AI assistant, Michelle, works from your live practice data (check-ins, habits, goals, session notes) inside the same platform that runs your programs, booking, payments and client app. The other 11 tools below each win a narrower situation: general drafting, session transcripts, selling courses, clinical-style charting, or keeping AI out of your client records altogether. We make Coachful, so weigh our ranking with that in mind; every vendor fact below comes from the vendor's own pages as listed in October 2026, or from our September 2026 profiles where noted.

Which AI tool fits which wellness coaching situation?

If you only read one table, read this one. We ranked on four things, in this order: one login for the whole client journey, between-session delivery, total monthly stack cost, and setup effort (including the free white-glove build Coachful offers).

PaperbellCoaches who want no AI anywhere near client records$97 per month

The rest of this guide explains each pick, then compares all 12 in one matrix and prices three realistic stacks. If you want the wider view first, our parent guide to the best AI tools for coaches covers every niche, and the best software for wellness coaches covers the non-AI side of the decision.

What do wellness coaches actually need from AI tools?

Wellness coaches need AI that supports behaviour change across weeks: drafting programs, watching daily check-ins, summarising sessions and flagging who is drifting. Writing help matters, but it is the smallest part of the job.

Look at a typical wellness practice. You might run a 12-week stress and sleep reset, a 30-day movement habit challenge, a group cohort on mindful eating, and a handful of 1:1 clients working on energy and work-life balance. Your clients log morning moods, evening wind-down routines, water, steps or meditation minutes. Your real work is noticing patterns: the client who stopped checking in on day 9, the one whose mood dips every Sunday, the cohort member who finished every task but never posts. That is where AI earns its place.

Here is the job list we used to judge every tool:

  • Program building. Turn "a six-week sleep program for shift workers" into weeks, daily tasks, habits and check-in questions you can edit.
  • Between-session signal. Read check-ins and habit streaks, then tell you who needs a nudge before they quietly cancel.
  • Session prep and recap. Brief you before a call and summarise it afterwards, with the client's informed consent (see our guide to introducing AI session notes so clients consent).
  • Content. Workshop outlines, lead magnets such as a seven-day calm challenge, newsletters and course lessons.
  • Scope safety. Keep the AI inside coaching. A wellness AI should never diagnose, prescribe a diet for a medical condition or replace a therapist.

That last point deserves its own paragraph. Wellness coaching is not medical, nutritional or psychological treatment. Coaches support goals and habits; they do not diagnose or treat. If a client describes symptoms of an eating disorder, depression, self-harm, a new or worsening medical condition, or asks whether to change medication, refer them to their physician, a registered dietitian or a licensed mental health professional, and pause any AI-drafted plan until they have. Bodies such as the National Board for Health & Wellness Coaching publish scope guidance worth reading if you are unsure where the line sits, and our explainer on what health and wellness coaching is covers it in plain language. If you are still deciding which title to use, see wellness coach vs health coach.

Privacy follows from scope. Most independent wellness coaches are not HIPAA covered entities, but some work under contract with clinics, insurers or employers that are. The HHS guidance on covered entities explains who is covered. If you are, you need tools that sign a business associate agreement (BAA), and several on this list, Coachful included, do not.

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

How did we choose and rank these 12 tools?

We started from what wellness coaches pay for and what vendors publicly document, then ranked on the four criteria above. We did not run hands-on tests; this ranking is built on vendor pricing pages, help centres and what public reviewers report.

  1. One login for the whole client journey. Fewer tabs means fewer places for client data and fewer missed check-ins.
  2. Between-session delivery. Habits, check-ins, programs and a client app score higher than drafting alone, because that is where wellness outcomes happen.
  3. Total stack cost. We priced what a coach would actually need to buy, not just the headline plan.
  4. Setup effort. How long until a real client is inside a real program.

We also checked each tool against scope and privacy: does it document a BAA, does it let you control what clients see, and does it encourage AI to answer health questions it should not. Twelve tools made the cut. Three are AI-first (ChatGPT, Claude, Fathom); two are marketing platforms with credit-based or metered AI (Kajabi, GoHighLevel); five are coaching or practice platforms with AI of varying depth, from Coachful's built-in assistant to Quenza's planned generator; Kit is an email tool; and Paperbell is here precisely because it keeps AI out. We used NIST's AI Risk Management Framework as a sanity check for the questions to ask any AI vendor: what data goes in, who reviews outputs, and what happens when the model is wrong.

1. Coachful: best overall for wellness coaches who run programs

Coachful wins when your coaching lives between sessions: habits, morning and evening check-ins, weekly goals and a client app, with an AI assistant that reads all of it.

Coachful's coaching flows library on a laptop and a client's habit tracker on a phone on a sunlit table
Coachful's coaching flows library with the demo Morning and Evening Check-in flows on the laptop, and the demo Growing Habits tracker on the phone, beside a water carafe and lavender.

What Coachful is. Coachful is a coaching platform. One subscription covers booking, payments, coaching agreements, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. You get one login; your clients get one branded app. It is built for coaches who deliver programs rather than just sessions, for solo coaches growing into a small team, and for coaches replacing four to six separate tools. The company is based in Tallinn, Estonia, and holds a Trustpilot rating of 4.5 from 21 reviews.

The AI part: Michelle. Michelle is the built-in AI assistant, and the difference from a general chatbot is that she works from your live practice data. Ask her to build a six-week stress reset and she drafts the weeks, daily tasks, habits and check-in questions as a real program you can edit. Because she works from the same check-ins and habits your clients log, you can ask which clients have gone quiet this week. Before a session she briefs you on the client's goals, recent check-ins and notes. After a recorded session she summarises it. She drafts emails, newsletters and content in your voice. If you are working towards a credential, she can also give optional private feedback on your own coaching against ICF Core Competencies 3 to 8. Questions and planning with Michelle are included in your Coachful membership; confirmed builds and changes use AI credits.

AI Coach for between sessions. Separately, you can configure an AI Coach: an AI version of you that selected clients can chat with between sessions. For wellness work, this suits the "I skipped my wind-down routine again, what now?" moment at 10pm. You decide which clients get it and how it is set up; our guide to setting up an AI coaching assistant that stays in its lane covers the boundaries we recommend, such as sending any symptom or medication question straight back to you.

This short walkthrough shows how the AI Coach is configured:

Delivery, where wellness results happen. Programs run for multiple weeks with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Coaching flow templates give you a welcome flow and daily check-ins to start from, and there are more than 40 ready-to-film program templates if you would rather adapt than build.

Coaching flows library with Welcome, Daily, Weekly and Journeys tabs and Morning and Evening Check-in cards
The coaching flows library: a welcome flow plus Morning and Evening Check-in flows, ready to attach to a program.

On the client side, habits show as trackers with progress, so a client can see 12 of 30 meditation days done at a glance.

Client habits dashboard with Morning Meditation, Exercise, Journaling and Read 30 minutes tracker cards
A demo client's Growing Habits dashboard with progress on Morning Meditation, Exercise, Journaling and Reading.

Each client record pulls together goals, check-ins, habits, notes, intake answers, tags, payments, sessions and an AI briefing, and marks the client as thriving, active, quiet or at risk. For a wellness coach with 20 clients, that status line is the triage list.

The client dashboard with demo clients, status tags and illustrative insights for task completion, check-in rate and mood.

The rest of the business. Booking pages handle availability rules, buffers and time zones, with two-way Google, Apple and Outlook calendar sync and built-in video or auto-created Zoom, Meet or Teams links. Payments run through your own Stripe or Razorpay account with subscriptions and payment plans, and Coachful charges a 0% platform fee (since August 2026), so you pay only processing. Coaching agreements with e-signature go out before the first call. Courses, a community feed with cohort groups, a website with blog and funnels, and email sequences are all included. If your wellness work includes movement or food, the Fitness & Nutrition pack adds a workout builder, nutrition targets, meal plans, recipes, food lookup and private progress photos.

What Coachful does not do. It is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. There is no PayPal and no permanent free plan. It does not sync with Garmin, Fitbit, Whoop or Oura, and Apple Health sync is not publicly available. There are no stock exercise videos; you attach your own. The client app carries your branding inside the Coachful app rather than shipping under your own App Store account.

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you from Create > We'll build it for you. Describe what you want (a website, a funnel, a program, a course outline, an email sequence, an intake form), attach up to 8 reference links and up to 10 files, and the team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices; gaps are left for you to fill. One recent example: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. It does not include recording videos, logo design or ad management. Read more about the free white-glove service.

How to start. Take a free trial, then request a white-glove build of your first program or website so a real client can be inside it within days. More on the AI side lives on the AI coaching assistant page.

2. ChatGPT: the generalist for idea work

When you need twenty workshop titles, a gentler way to phrase a hard check-in question, or a dairy-free swap for a recipe card, ChatGPT is the fastest general-purpose option most wellness coaches already have open.

Its strength is range. It can draft a lead magnet like a "7-day evening wind-down" PDF, turn a voice memo into a newsletter, suggest journaling prompts for a stress module, or role-play a client objection so you can practise your enrolment call.

Its weakness for wellness coaching is context. ChatGPT does not see your clients' check-ins, habits or session history unless you paste them in, and pasting client wellbeing details into a general chatbot is a privacy decision you should make deliberately, with client consent and with identifying details removed. It also answers health questions confidently, so any content touching symptoms, supplements or medical conditions needs your review against your scope.

Price. ChatGPT offers a free tier and paid individual and team plans. Its pricing page blocked our fetch on the day we checked, so we could not verify current paid prices; check the vendor's pricing page before you budget.

Limits. No booking, payments, programs, habits or client app. No memory of your clients beyond what you give it.

Pick it over Coachful if you already have a delivery platform you are happy with and only want a general writing and ideas assistant, or you need help well outside coaching (a tax question for your accountant, a lesson plan for a corporate talk).

3. Claude: for long, careful writing

The scenario Claude wins is the big document: rewriting a 40-page wellness e-book, turning eight session transcripts' worth of notes (anonymised) into a course outline, or editing a 12-week curriculum for tone and consistency.

It is a good fit for wellness copy that should sound calm rather than hyped: give it your program outline, brand voice notes and a sample of your writing, and ask for drafts that match. You still edit every line before it goes out.

Like ChatGPT, it is a blank-page assistant: it knows nothing about your clients unless you tell it, it cannot send a check-in, and it should not be used to answer clients' health questions. For a wellness coach, it complements a delivery platform rather than replacing one.

Price. Claude has a free tier and paid plans. We did not verify the current prices on the vendor's pricing page today, so confirm them there.

Limits. No client records, scheduling, payments or client-facing app.

Pick it over Coachful if your main bottleneck is producing long-form material (a book, a course script, a corporate wellness proposal) and your client delivery already runs somewhere else.

4. Fathom: when your sessions happen on Zoom or Meet

Fathom is the pick if you want an AI notetaker that records your video sessions and hands you a summary and action items the moment the call ends.

For a wellness coach, that means you can stay present when a client talks through a hard week, then get the commitments ("walk after lunch three days", "screens off by 10pm") as a list to drop into their program. Fathom lists unlimited recordings and transcription with instant AI summaries on its free plan, which is unusual in this category.

Price, as listed in October 2026. Free at $0 with unlimited recordings and instant summaries; AI action items are limited use. Premium is $20 per user per month, or $16 billed annually, adding advanced summaries, AI action items and a conversational assistant. Team is $19 per user ($15 annually, two-user minimum) and Business is $34 per user ($25 annually, two-user minimum).

Limits. Fathom only lives in your calls. It does not track habits, run programs or reach clients between sessions. Its pricing page mentions a signed BAA but does not say which plan includes it, so ask before you rely on it. Recording any session needs the client's informed consent; tell them what is recorded, where it is stored and how long you keep it.

Pick it over Coachful if you only need meeting notes and nothing else changes in your practice. Many coaches pair the two: Fathom on the call, Coachful for everything after it.

5. Kajabi: AI for selling self-paced wellness courses

Kajabi wins when your wellness business is mainly a product business: an evergreen gut-health basics course, a breathwork library, a paid community, sold through funnels and email.

Kajabi homepage promoting its course, community and creator platform
Kajabi's homepage in October 2026.

Kajabi's AI tools (Creator Studio, plus outline, email and landing page generation) help you get a course from idea to sales page faster. The platform bundles website, email, funnels, courses and community under one contact record, which is genuinely useful if you sell to hundreds of people rather than coach twenty. If courses are your focus, compare it with our roundup of course platforms for wellness coaches.

Price, as listed in October 2026. Basic $179 per month ($143 annually) with 5 products, 2,500 contacts and 0 AI credits; Growth $249 ($199 annually) with 500 AI credits; Pro $499 ($399 annually) with 1,000 AI credits. Kajabi Payments in the US runs 2.9% + $0.30 on Basic; other processors (except PayPal) add a Kajabi fee of 0.5% to 2%.

Limits. No habit tracking or daily client check-ins; coaching is structured as products and communities, not per-client plans. The Basic plan has no AI credits at all, so the AI features effectively start at $249. Our September 2026 profile notes Kajabi does not offer HIPAA. Trustpilot shows 3.4 from 2,347 reviews, with complaints about support and charges.

Pick it over Coachful if you sell courses to large audiences, rarely work with individual clients, and want a marketing-heavy platform with a big ecosystem around it.

6. Practice Better: for wellness practitioners who chart

If your wellness work sits close to clinical practice (you are also a dietitian, nutritionist or functional medicine practitioner), Practice Better is built for you, and its AI is aimed at charting.

Practice Better homepage promoting practice management for wellness practitioners
Practice Better's homepage in October 2026.

Practice Better covers scheduling, telehealth, charting, billing, programs, food and lifestyle journaling and a client portal. Its AI Charting Assistant does session summaries and dictation, sold as an add-on from $10 a month (1,200 minutes) according to our September 2026 profile, with higher tiers at $20 and $40. It states HIPAA, PIPEDA, PHIPA and GDPR compliance, which matters if you work with covered entities.

Price, as listed in October 2026. Sprout $0 (3 clients); Starter $35 per month ($25 annually, 10 clients); Professional $69 ($59 annually, 300 clients); Plus $99 ($89 annually, unlimited clients); Team $155 ($145 annually, two practitioners). Free trials run 14 days, or 30 on Team.

Limits. No website builder or funnel pages, so you need a separate site and email tool. Evergreen programs, portal branding and SMS start on Plus. Our profile found journaling with daily targets but no streak-based habit tracker. AI is limited to charting; no general practice assistant was verified.

Pick it over Coachful if you need HIPAA-ready records, insurance-style documentation or telehealth inside a clinical workflow.

7. CoachVantage: a budget AI writing helper in a coaching CRM

CoachVantage fits the solo wellness coach who mostly runs 1:1 engagements, wants contracts and invoices tidy, and would like an AI writing assistant for program content at a low monthly price.

CoachVantage homepage promoting its coaching practice management software
CoachVantage's homepage in October 2026.

The platform covers CRM, scheduling, contracts with e-signature, invoices, a client portal, group programs and small courses. Its AI writing assistant, Vanta, helps draft program content (per our September 2026 profile). Pricing is per coach with unlimited clients, which keeps cost predictable as you grow.

Price, as listed in October 2026. Clarity $39 per month ($35 annually), capped at 2 group programs, 2 sales pages, 2 booking pages and 4 e-signatures a month; Aha! $59 ($53 annually) removes most caps. Fourteen-day trial with no card needed. No commission on your revenue; Stripe or PayPal fees apply.

Limits. No full website, community or funnels; no team features. Our profile notes HIPAA is not mentioned and that its built-in video is reported as weak, so many users still run Zoom. It has no habit and check-in engine comparable to a program platform.

Pick it over Coachful if you want the lowest-cost structured CRM with unlimited clients, run 1:1 engagements without daily client tracking, and already have a website.

8. Simply.Coach: a low entry price with compliance claims

For a new wellness coach with three clients and a tight budget, Simply.Coach is one of the cheapest structured platforms to start on.

Simply.Coach homepage promoting its coaching platform for coaches and firms
Simply.Coach's homepage in October 2026.

It covers contracts, programs, sessions, booking pages, a client portal and business tiers for coaching firms. The company markets itself as "AI-enabled", though we could not verify the specifics of its AI features. Our September 2026 profile notes it claims SOC2, HIPAA and GDPR compliance, which is rare at this price, and that it offers a mobile app.

Price, as listed in October 2026. Starter $9 per month (3 active coachees, 1 program); Essentials $29 ($24.17 annually, 7 coachees); Growth $49 (30 coachees); Leap $69 (unlimited). Business tiers are priced per active coach. Fourteen-day trial, no card required.

Limits. Client, contract and program caps on every solo tier below Leap. Automated invoices are marked "Coming Soon". No refunds for mid-period cancellations. Our profile found nudges and action plans but no dedicated habit tracker.

Pick it over Coachful if you need a compliance claim for corporate wellness clients today and can live with tight caps while you start.

9. Paperbell: for coaches who want AI kept out of client records

Not every wellness coach wants AI inside their practice. If your clients are uneasy about it, Paperbell is the simple, AI-free admin option on this list: its pricing page lists no AI features among what is included.

Paperbell homepage promoting its all-in-one admin tool for solo coaches
Paperbell's homepage in October 2026.

Paperbell bundles a coaching website, scheduling, payments and packages, a client portal, contracts, email workflows, forms, group coaching, digital downloads and online classes under one flat price. You can still use a separate chat assistant for your own marketing copy while keeping client data in a tool with no AI layer.

Price, as listed in October 2026. One plan at $97 per month, or $970 a year, with unlimited clients. No added transaction fees; Stripe and PayPal fees apply. A 30-day money-back guarantee is listed.

Limits. No courses platform, community, goal or habit tracking, per our profile. No native mobile app; clients use the mobile browser. Paperbell's FAQ states it is not HIPAA compliant. Trustpilot shows 3.5 from 14 reviews.

Pick it over Coachful if you sell 1:1 packages, want no AI features in your client workspace at all, and do not need habits or check-ins.

10. Quenza: wellbeing exercises and worksheets

Quenza suits the wellness coach whose delivery is built around exercises: breathing practices, reflection worksheets, gratitude logs and psychoeducation handouts sent to clients in sequence.

It comes with a library of ready-made activities (100+ on Spark, more on higher plans), programs, notes, tasks, 1:1 chat and a client mobile app. Its pricing page marks an AI activity generator as planned, so for now the AI story is a roadmap item rather than a shipped feature.

Price, as listed in October 2026. Spark $25 per month ($20 annually, 10 clients); Growth $50 ($40 annually, 250 clients); Impact $125 ($100 annually, 400 clients); Collective $160 ($128 annually, up to 3 professionals). Thirty-day trial with no card.

Limits. No client payment processing yet (invoicing is marked planned), and no scheduling or video calls per our profile, so you will need other tools for booking and payments. Trustpilot shows 4.3 from only 8 reviews.

Pick it over Coachful if a large ready-made library of wellbeing exercises matters more to you than booking, payments, AI drafting and a website in the same place.

11. Kit: an email-first wellness practice

Some wellness coaches grow almost entirely through a newsletter: a weekly note on sleep, stress or seasonal routines that turns readers into clients. Kit is built for that.

Kit offers forms, landing pages, broadcasts, tagging and simple digital product sales. Paid plans add visual automations, sequences and AI connectors. It does not deliver coaching itself; there are no client records, scheduling, habits or check-ins. For a broader comparison, see our guide to email marketing tools for coaches.

Price, as listed in October 2026. Free for up to 10,000 subscribers; Creator from $39 per month for 1,000 subscribers, scaling with list size; Pro from $79. Kit Commerce charges 3.5% + $0.30 per US transaction. Prices come from Kit's help centre, as its pricing page blocked automated checks. Fourteen-day trial on paid plans, no card needed.

Limits. Sequences and automations need a paid plan. Nothing for client delivery.

Pick it over Coachful if email is your only marketing channel, your list is large, and you deliver coaching somewhere else.

12. GoHighLevel: AI chat and SMS automation at agency scale

GoHighLevel is the tool for a wellness business that runs like a marketing operation: multiple locations, paid ads, an AI chat agent answering leads and SMS follow-up at volume.

GoHighLevel homepage promoting its all-in-one marketing and sales platform
GoHighLevel's homepage in October 2026.

Its AI features (Conversation AI, Voice AI, Content AI, Reviews AI and an AI Employee) are usage-billed or add-ons, per our September 2026 profile. Around them sits an agency CRM with funnels, websites, calendars, SMS and email, invoicing, contracts, courses and communities, all built around sub-accounts.

Price, as listed in October 2026. Starter $97 per month ($80.83 annually, 3 sub-accounts); Unlimited $297; Agency Pro $497; Enterprise custom. SMS, email, phone and AI usage are metered on top. HIPAA is a $297 per month add-on. Fourteen-day trial; billing starts automatically unless cancelled.

Limits. No habit tracking, client check-ins or structured coaching-program engine; you would simulate them with workflows and forms. No built-in video rooms. Metered usage makes the real bill hard to predict. Trustpilot shows 4.9 from 15,250 reviews, though much of that reflects agency users.

Pick it over Coachful if you run a multi-location wellness studio or agency and need AI lead handling across many sub-accounts.

How do the 12 tools compare feature by feature?

Only Coachful combines an AI assistant that reads client data with habits, check-ins, booking, payments and a website in one place; most others cover one or two columns well.

What do three realistic AI stacks cost per month?

A wellness coach on Coachful usually needs nothing else, or adds a notetaker such as Fathom. A patchwork stack doing the same jobs at 40 clients runs into hundreds of dollars before you have a website. These are illustrative stacks using list prices as of October 2026, not quotes.

Core platformStackAdd-onsCore platform costAdd-on cost (as listed)
CoachfulStack 1: new coach, about 5 clients in a sleep and stress programNone; Michelle drafts the program, emails and briefingsLite: $29/month for up to 5 clientsNone
CoachfulStack 2: 15 clients, 1:1 sessions on ZoomFathom Free for call notesSolo: $49/month for up to 20 clients$0
CoachfulStack 3: 40 clients across two group cohortsFathom Premium for advanced summariesPro: $99/month with unlimited clients$20 per month
Practice Better + KajabiPatchwork at 40 clients, for comparisonPractice Better Professional $69, AI Charting $10, Kajabi Basic $179, Fathom Premium $20Included in add-on total$278 per month, plus any chat assistant plan

The patchwork stack still lacks a streak-based habit tracker, uses a Kajabi plan with no AI credits, and needs a separate website for Practice Better's booking widget. Add a general chat assistant and the total climbs again. That is the cost of four logins and four places where client data lives.

How would a wellness coach set this up in Coachful, step by step?

Here is a worked example for an illustrative coach launching a six-week "Calm Evenings" program for stressed professionals with poor sleep routines.

  1. Ask Michelle for the program. Describe the audience, length and outcome: six weeks, weekly goals, a nightly wind-down habit, a screens-off habit and a three-question evening check-in. Review every task and remove anything that drifts into medical advice.
  2. Attach check-in flows. Use the Evening Check-in template from the coaching flows library, and add a morning check-in asking how rested the client feels on a 1 to 5 scale.
  3. Add your scope line to onboarding. In the welcome flow and coaching agreement, state that the program is coaching, not treatment, and list when you will refer out (for example, persistent insomnia, low mood lasting weeks, or any medication question).
  4. Set up booking and payment. Create a paid session type for the kickoff call with intake questions, connect your Stripe account, and offer a payment plan.
  5. Build the sales page. Pick a wellness template like Sanctuary, or request a white-glove build of the page and an application funnel.
  6. Decide on the AI Coach. If you enable it for the cohort, set it to encourage routines and send any health question back to you.
  7. Review weekly. Each Monday, ask Michelle who went quiet and draft a short personal nudge for each one; send them yourself.

What mistakes do wellness coaches make with AI tools?

The common mistakes are letting AI answer health questions, pasting identifiable client data into general chatbots, and buying drafting tools when the real gap is between-session follow-up.

  • Letting AI cross scope. A chatbot will happily suggest supplements or calorie targets for a client with a thyroid condition. You are responsible for every word that reaches a client; refer medical questions out.
  • Recording without consent. Tell clients what is recorded, what the AI does with it and how long it is kept, and let them opt out.
  • Pasting raw client data into general chat. Remove names and identifying details, or use a tool where client data already lives under your account.
  • Publishing AI-invented testimonials or results. The FTC's Consumer Reviews and Testimonials Rule prohibits fake reviews and testimonials; only use real, consented client words.
  • Stacking five subscriptions. Each tool adds a login, a cost and a data store. Count the total before you add another.
  • Automating the human part. AI can tell you who went quiet. The message that brings them back should still come from you.

Which AI tool should a wellness coach choose?

Choose Coachful if you run programs and want AI that sees your clients' habits and check-ins, with booking, payments, a website and a branded client app under one login. It is the only tool here that covers the full wellness client journey, and the free white-glove build removes most of the setup work.

Add Fathom if you hold many video sessions and want instant recaps. Use ChatGPT or Claude for long-form or general writing outside client work. Choose Practice Better if you need HIPAA-ready charting, Kajabi if courses are your business, and Paperbell if you want no AI in your client workspace at all. Frequently asked questions

What are the best AI tools for wellness coaches?

Coachful is our top pick because its AI assistant works from your clients' check-ins, habits and session notes inside the same platform that runs programs and payments. ChatGPT and Claude are strong general writing assistants, and Fathom is a good free notetaker for video sessions. The right mix depends on whether your bottleneck is content, session notes or between-session follow-up.

Can AI replace a wellness coach?

No. AI can draft programs, summarise sessions and flag clients who go quiet, but the relationship, judgement and accountability are what clients pay for. Our article on whether AI will replace coaches covers what changes and what stays human.

Is it safe to put client wellness data into ChatGPT or Claude?

Treat it as a privacy decision. Remove names and identifying details, get client consent for any AI processing, and check the vendor's data controls. If you work with a HIPAA covered entity, use only tools that sign a BAA.

Is Coachful HIPAA compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not suited to clinical record-keeping or insurance billing. It is GDPR-ready and designed for coaching, not treatment.

What is Coachful's free white-glove service?

On every plan, the Coachful team will build a website, funnel, program, course outline, email sequence or form inside your account from your brief and files, usually within about 24 hours. Nothing is invented; gaps are left for you to fill. It does not include video recording, logo design or ad management.

Does Coachful's AI give health advice to my clients?

Michelle works for you, the coach, drafting and summarising from your practice data. The AI Coach that clients can chat with is something you configure and enable for selected clients, and we recommend setting it to send any symptom, diet-for-condition or medication question back to you so you can refer out.

Do I need a separate AI notetaker if I use Coachful?

Not necessarily. Michelle summarises recorded sessions and briefs you before calls. Some coaches who run many Zoom sessions still add Fathom's free plan for instant recaps on every call.

Does Coachful sync with wearables like Oura or Fitbit?

No. Coachful does not sync with Garmin, Fitbit, Whoop or Oura, and Apple Health sync is not publicly available. Clients log habits and check-ins in the app, and you can ask for numbers like sleep hours in a check-in question.

What is the cheapest way to start with AI as a wellness coach?

Free tiers of ChatGPT, Claude and Fathom cost nothing for drafting and call notes, but none of them delivers a program to clients. For delivery, start with a free trial of a platform that includes AI, so you are not paying for several tools at once (Coachful's current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients).

How do I keep an AI assistant within coaching scope?

Write your scope line into onboarding and your coaching agreement, review every AI draft before it reaches a client, and set any client-facing AI to refer health questions back to you. When in doubt, refer to a physician, registered dietitian or licensed mental health professional.
