Top 7 Coaching Software Germany in 2026

The best coaching software Germany-based coaches can choose is the one that handles the whole client journey in one place and still lets you meet German rules on VAT, invoices and data protection. If you are an English-speaking coach working from Berlin, Munich, Hamburg or anywhere else in Germany, the deciding question is simple: how many separate tools will you need to book, bill, deliver and stay compliant, and who owns the gaps between them? This guide ranks seven options for coaching software in Germany against that question.
Our pick is Coachful, because one membership covers booking, payments through your own Stripe account, coaching agreements, programs with habits and check-ins, courses, community and your website, and the company is based in the EU (Tallinn, Estonia). We make Coachful, so we have tried to be specific about what it does not do as well. Below you will find a five-question checklist, a table that maps your answers to a pick, a section on each tool, costs at 5, 15 and 40 clients, and the red flags that make switching expensive later.
What do coaches in Germany actually need from software?
Coaches in Germany need the same core workflow as coaches anywhere (booking, payment, agreement, delivery, follow-up), plus three local layers: VAT treatment, invoices with the fields German law lists, and GDPR-grade handling of client data. The client experience matters too, because many of your clients will be German speakers even if you coach in English.
Here is how a typical week looks for a solo coach with around 15 clients. A prospect finds your website, books a free call, and you send a proposal. They pay for a 12-week package, sign your coaching agreement, and start a program. Between sessions they log habits and answer check-ins. Some of them also join a small group program with weekly calls. At month end you need every payment matched to an invoice your Steuerberater can use. Every handoff in that chain is a place where a separate tool, a separate login or a copied spreadsheet can break.
VAT: the small-business rule and the standard rate
Germany's small-business rule (Kleinunternehmerregelung) sits in Section 19 of the VAT Act (UStG). Since 2025 the law says turnover of a resident business is VAT-exempt if total turnover did not exceed 25,000 euros in the previous calendar year and does not exceed 100,000 euros in the current one. You can opt out and charge VAT voluntarily, but that choice binds you for at least five calendar years. If you are above the thresholds or opt out, you charge the standard rate set in Section 12 UStG, which is 19% for most services, including coaching. Whether you qualify, and how cross-border clients are treated, depends on your situation, so check with a Steuerberater or accountant before you set prices.
What this means for software: you need to be able to show prices either with VAT or with a clear exemption note, and the tool should not force a tax setup that does not match your status.
Invoices: the fields Section 14 asks for
Section 14 UStG lists what an invoice must contain. In plain English: your full name and address and the client's, your tax number (Steuernummer) or VAT ID, the issue date, a unique sequential invoice number, the type and scope of the service, the date of the service, the net amount broken down by tax rate, and the rate and VAT amount, or a note that an exemption applies (for small businesses, a reference to the Section 19 exemption). The same section now requires structured electronic invoices (e-invoices) for most domestic business-to-business services, with transition periods. If you coach companies, ask your Steuerberater when the e-invoice obligation reaches you and whether your software's invoice output is enough or needs to pass through an accounting tool.
For private clients, a clean PDF invoice per payment with those fields is usually what you need. Before you commit to any tool, issue one test invoice in the trial and check it against that list.
GDPR and data processing agreements
Coaching notes, intake answers and check-ins are personal data, and some of it touches health or family life. Under the GDPR, any software vendor that stores client data on your behalf is a processor, and Article 28 requires a written contract with it, known in Germany as an Auftragsverarbeitungsvertrag (AVV) or data processing agreement (DPA). Ask every vendor on your shortlist for its DPA and its list of sub-processors before you import clients. Fewer tools also means fewer DPAs to manage and fewer places where a client's file lives.
The client experience in German
Many coaches in Germany work in English while their clients read emails, agreements and program content in German. You control most of that: you can write your welcome emails, agreement text, check-in questions and program lessons in German in any tool that lets you edit them. What varies by vendor is the language of the interface buttons and system messages. Test the client side in the trial, from the booking page to the first check-in, before you invite a paying client.
Which five questions decide your pick?
Answer these five questions about your practice in one sitting. Your answers narrow seven tools to one or two.
- Do clients work with you between sessions? If you assign habits, check-ins, worksheets or weekly goals, you need program delivery, not just a calendar.
- Do you take payment inside the same tool? If yes, check which processor it uses, whether it can charge in euros for your account, and whether every payment produces an invoice you can hand to your Steuerberater.
- How many active clients will you have in 12 months? Per-client pricing that looks cheap at 5 clients can triple at 40.
- Do you run groups, courses or a community? If you plan a cohort or a course, choose now, because moving content later is the most painful part of switching.
- Who will build your website and funnels? If the answer is "nobody yet", a tool with templates and a build service saves weeks.
How do your answers map to a tool?
We ranked on four criteria: one login for the whole client journey, between-session delivery, total stack cost once you add the tools each option lacks, and setup effort (including the free white-glove build Coachful offers).
| Tool | Pick it if your answers say | Entry price (as listed, October 2026) |
|---|---|---|
| Coachful | Yes to between-session work, yes to payments in the tool, groups or courses now or later, and you want help building the site | Lite: $29/month for up to 5 clients |
| Systeme.io | Marketing first: funnels, email and a simple course, with booking handled elsewhere | $0 (Free plan) |
| Quenza | Between-session worksheets and activities matter most, and you invoice elsewhere | $25/month (Spark, 10 clients) |
| Delenta | You want client portals and contracts, and 40 clients or fewer fits your plans | $29/month (Starter, 10 client portals) |
| CoachAccountable | You want deep action plans and metrics for a small 1:1 roster | $20/month (Starter, 2 active clients) |
| Coach Recap | You are solo, mostly 1:1, and want session notes and booking in one simple tool | $0 (Starter, 3 active clients) |
| Calendly | You only need a booking page and already have everything else | $0 (Free, 1 event type) |
How did we rank these tools?
We used one concrete practice as the test case: an English-speaking life and career coach in Germany with 15 private clients on 12-week packages, one group program of 8 people that meets weekly, a free discovery call on the website, and a plan to grow to 40 clients. That coach needs booking with calendar sync and video links, an agreement signed before the first call, payment collection with an invoice per payment, between-session check-ins, a place for the group, and a website. Prices are the vendors' list prices in US dollars as published in October 2026 unless we say otherwise.
We did not test these products hands-on for this article. Feature and price statements come from what each vendor documents on its own pages and what public reviewers report. Ratings are quoted with their source and date.
1. Coachful: is it the best all-in-one choice for coaches in Germany?
Yes, for most coaches who deliver programs rather than single sessions. Coachful puts booking, payments, coaching agreements, programs with habits and check-ins, courses, community, a website with funnels and email, and an AI assistant under one login, with one branded app for your clients.

What it covers for a German practice
The client journey from the scenario above runs end to end inside one account. Booking pages have availability rules, buffers, minimum notice and time-zone detection, which helps if you have clients in the UK or the US as well as in Germany. Calendars sync two ways with Google, Apple/iCloud and Outlook, and sessions can use built-in video or automatically created Zoom, Google Meet or Teams links. Reminders go out by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. You can ask intake questions at booking, sell paid sessions and session credits, and assign sessions round-robin if you later add a second coach.

Payments run through your own Stripe Connect (or Razorpay) account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, with Stripe Tax available. Coachful issues an invoice for every transaction and lets you create manual invoices. Since August 2026 Coachful takes a 0% platform fee, so you pay only Stripe's processing. For Germany, the practical step is to issue one test invoice in the trial and check it against the Section 14 fields listed earlier, together with your Steuerberater, before your first paying client.

Coaching agreements with e-signature are sent before the first call and stored on the client record, so the signed document sits next to the payments, sessions and notes for that person. That also makes a GDPR access or deletion request easier, because the file is in one place. You can export a client's full data as a ZIP (roster, notes, check-ins, goals, habits, sessions and form responses). More on agreements is on our coaching contracts page.

Between sessions, where most of the coaching happens
Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Each client record shows goals, check-ins, habits, notes, intake answers, tags, payments and sessions, plus an AI briefing and a status of thriving, active, quiet or at risk, so you can spot the client who has gone silent before they cancel. You write the content, so check-in questions, lesson text and emails can be in German, English or both.
For the group program, Coachful creates a cohort group automatically when someone enrolls, with a community feed, group chat, direct messages, group calls and video events. Courses with modules, lessons, drip and completion tracking land in the same client home and app. See group coaching software and program software for more detail.

Michelle, the built-in AI assistant, works from your live practice data: she drafts emails and content, builds programs, summarizes recorded sessions and briefs you before a call. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. If you are working toward an ICF credential, Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log.
Here is a short walkthrough of how a client moves through a journey in Coachful:
Website, funnels and marketing in the same account
The website builder is section-based, with a blog, custom domain, SEO settings, 30 designed homepage templates and an Import website option. Booking, application, lead-magnet and checkout funnels support pixels and UTM tracking, and email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits are built in. A social planner schedules posts to Instagram, Facebook, LinkedIn, X, Threads and YouTube from one calendar.
Why Coachful stands out: a free white-glove service. From Create, then "We'll build it for you", you describe what you need (a website, a funnel, a sales page, a program, a course outline, an email sequence, a form and more), attach up to 8 reference links and up to 10 files such as your logo, photos or existing copy, and the Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One leadership coach with a website renewal days away got a single clean homepage with a repeated "talk with me" button; a somatic coach leaving Kajabi had the homepage and About page rebuilt and the contact form connected. It does not include recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

Limits to know before you sign up
- Not HIPAA-certified and not built for clinical records or insurance billing. If you also work as a Heilpraktiker or therapist, keep clinical notes in a clinical system.
- No PayPal; payments run through Stripe or Razorpay.
- No permanent free plan; there is a free trial.
- The client app ships under the Coachful listing with your branding, not under your own App Store account.
- No Garmin, Fitbit, Whoop or Oura sync, no Salesforce or HubSpot integration, and no third-party plugins.
Price: flat monthly plans; lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click. Coachful holds a Trustpilot rating of 4.5 from 21 reviews.
Who it is for: solo coaches and small teams in Germany who deliver programs, run or plan a group, and want to replace four to six separate tools. Who should look elsewhere: clinicians who need a health-records system, and coaches who only need a booking link.
2. Systeme.io: is a low-cost marketing suite enough?
It is enough if your main job is getting leads, and not enough on its own if you deliver 1:1 programs. Systeme.io is an all-in-one marketing suite with funnels, email, courses, a community, a blog and an affiliate program.

Where it is strong
Its free plan is generous by the vendor's own listing: 2,000 contacts, 3 funnels, 1 course with up to 500 students, a blog, a custom domain, one automation rule and one email campaign, with no credit card required. Systeme.io states 0% transaction fees on all plans, so you pay only Stripe or PayPal processing. For a coach in Germany building an English and a German lead magnet, that is a cheap way to start collecting emails.
Listed prices, October 2026
Free $0, Startup $17/month (5,000 contacts, 10 funnels, 5 courses), Webinar $47/month (10,000 contacts, 50 funnels, 20 courses), Unlimited $97/month. It holds a Trustpilot rating of 4.9 from 8,696 reviews (seen 25 October 2026).
What is missing for coaching
There is no native 1:1 scheduling with client records, and no habits or check-ins, according to our earlier profile of the product. Community and course features are basic, and there is no branded mobile app. In the 15-client scenario you would add a booking tool, an e-signature tool and somewhere to track client progress, which means more DPAs and more logins.
Pick it over Coachful if you are pre-launch, mainly need funnels and email at no cost, and are happy to run sessions and client delivery in other tools for now.
3. Quenza: does it handle between-session work well?
Between-session work is exactly what Quenza is built for: activities, worksheets, programs, chat and a client app, used by coaches and therapists.

Strengths
If your coaching relies on structured exercises (reflection sheets, values work, progress questionnaires), Quenza's activity builder and programs are its centre of gravity. Clients complete tasks in an app, and you see results. For coaches who write their materials in German, a worksheet-first tool can feel natural.
Listed prices, October 2026
Spark $25/month ($20 billed annually) for 1 professional and 10 clients; Growth $50/month ($40 annually) for 250 clients; Impact $125/month for 400 clients; Collective $160/month for up to 3 professionals and 500 clients; a custom Beyond tier. There is a 30-day free trial with no credit card. Trustpilot shows 4.3 from 8 reviews (seen 25 October 2026).
Gaps for a German practice
Quenza does not process client payments today: invoicing and digital products are marked as planned on its pricing page. Our earlier profile also found no scheduling or video calls. So you would need separate tools for booking, payments and invoices, which is the part German compliance cares about most.
Pick it over Coachful if your work is mainly worksheet-driven, you already have booking and invoicing you trust, and you want a dedicated exercise library rather than a full practice platform.
4. Delenta: how far do client-portal caps take you?
Delenta's Pro plan covers 40 client portals, which is enough for many solo coaches, but its course creator and mobile app sit only on the top solo plan. It is a coaching practice platform with CRM, scheduling, contracts, client portals and group coaching.

Features in brief
Delenta brings contracts, scheduling and a portal per client together, with group coaching and, on Premium, courses. It states "no additional transaction fees" and works with Stripe and PayPal, so processor fees are your only payment cost.
Price as listed (October 2026)
- Starter: $29/month ($19.08 annually), 1 seat, 10 client portals, 1 GB
- Pro: $49/month ($39.08 annually), 1 seat, 40 client portals, 5 GB, up to 6 calendars
- Premium: $79/month ($58.25 annually), unlimited client portals, 100 GB, course creator and mobile app
- Teams and Enterprise: custom pricing
The trial length is unclear: the headline says 14 days while the FAQ mentions 7 days, with no credit card required. Trustpilot shows 4.1 from 5 reviews (seen 25 October 2026).
Limits
Client-portal caps on Starter and Pro mean growth past 40 clients pushes you to Premium. There is no website builder or funnel pages in what Delenta lists for solo plans, and multi-coach features need the custom-priced Teams plan.
Pick it over Coachful if you want a portal-per-client model with PayPal as a payment option and do not need a website or funnels in the same tool.
5. CoachAccountable: worth it for a small 1:1 roster?
CoachAccountable is worth a look if you run a small, deep 1:1 practice, because its pricing climbs with every active client. It is a long-standing coaching back office with sessions, action plans, metrics, worksheets, courses, invoicing and agreements.

What public reviewers like
Its Trustpilot rating is 4.8 from 47 reviews (seen 25 October 2026), and reviewers tend to praise the action plans and metrics tracking. If you coach executives with measurable goals, that detail can be useful.
How the per-client price adds up
As listed in October 2026: Starter $20/month for 2 active clients, Level 1 $40 for 5, Level 2 $70 for 10, Level 3 $120 for 20, Level 4 $250 for 50, and Level 5 $400 for 100. The 30-day trial needs no credit card. In the 15-client scenario you land on Level 3; at 40 clients you need Level 4.
Where it falls short
There is no native mobile app, no website, landing pages or marketing automation, according to our earlier profile. Per-client billing gets expensive for group programs, because every group member counts. Transaction fees are not stated on the pricing page; processor fees apply.
Pick it over Coachful if you coach fewer than ten clients 1:1, care most about granular action plans and metrics, and already have a website you are happy with.
6. Coach Recap: a simple option for solo 1:1 coaches?
Coach Recap is a straightforward pick for solo coaches who mostly work 1:1 and want notes, booking and payments without much setup. The vendor says it is built for solo coaches, not agencies or enterprises.

Feature set
Client profiles hold session history, notes, goals and action items, with full-text search. The booking page supports buffers and notice rules, with two-way Google Calendar and Outlook sync and email reminders at 24 hours, 1 hour and 15 minutes. Programs are session packs or monthly subscriptions paid through Stripe, with sessions used and remaining tracked. Intake forms, check-ins, contracts, private chat and resource sharing round it out.
Plans and prices (October 2026)
Starter is free for up to 3 active clients (active meaning a session or booking in the last 90 days), Professional is $29/month for up to 20 active clients, and Business is $79/month for unlimited clients. Coach Recap takes no cut of client payments; Stripe's fees apply. Our capture of its pricing page displays euro prices, so check the currency you will be billed in.

Trade-offs
Coach Recap has no courses, community, funnels or website builder in what it lists, so group programs and marketing need other tools.
Pick it over Coachful if you have three or fewer clients today and want to start at no cost, or you run a purely 1:1 practice and already have a website.
7. Calendly: is a booking tool enough on its own?
Only if every other part of your practice already lives somewhere else. Calendly is a scheduling tool: booking pages, reminders, workflows and paid bookings through your own Stripe or PayPal account.

The useful parts
It is widely known, so clients rarely need instructions, and the free plan covers one event type and one calendar connection. That works for a single discovery-call link on your website.
Cost as published
Free $0; Standard $10 per seat per month billed annually (monthly price not shown on the pricing page in October 2026); Teams $16 per seat annually; Teams Plus $24 per seat annually; Enterprise from $15,000 a year. Trustpilot shows 4.1 from 714 reviews (seen 25 October 2026).
The missing pieces
Calendly has no client records, notes, programs, habits or check-ins, and no contracts or invoicing. For a coach in Germany, that means invoices and agreements live elsewhere, and you need a second and third tool before the first paid session.
Pick it over Coachful if you only need a booking link and your payments, invoices, agreements and delivery are already handled by systems you are keeping.
How do the seven compare feature by feature?
The matrix below shows which tools cover each part of the scenario natively. "Partial" means the feature exists with a plan cap or a clear limitation in the vendor's listing.
| Tool | Booking and calendar sync | Payments and invoices | Agreements or contracts | Habits and check-ins | Groups or community | Website and funnels |
|---|---|---|---|---|---|---|
| Coachful | Yes | Yes | Yes | Yes | Yes | Yes |
| Systeme.io | No | Partial (payments, no client billing records) | No | No | Partial | Yes |
| Quenza | No | No (planned) | No | Yes | No | No |
| Delenta | Yes | Partial (Stripe or PayPal payments) | Yes | No (not listed) | Yes | No |
| CoachAccountable | Yes | Yes | Yes | Partial (action plans, metrics) | Partial | No |
| Coach Recap | Yes | Partial (Stripe packs and subscriptions) | Yes | Partial (check-ins) | No | No |
| Calendly | Yes | Partial (paid bookings only) | No | No | No | No |
What does each tool cost at 5, 15 and 40 clients?
Costs below use monthly list prices in US dollars as published in October 2026, choosing the cheapest plan that covers the client count. They exclude Stripe or PayPal processing and the extra tools each option needs, which we note in the last column.
| Tool | 5 clients | 15 clients | 40 clients | Extra tools you would still need |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients | None for the scenario |
| Systeme.io | $0 (Free) | $0 (Free) | $0 to $17 | Booking, agreements, client tracking |
| Quenza | $25 (Spark) | $50 (Growth) | $50 (Growth) | Booking, payments, invoices, website |
| Delenta | $29 (Starter) | $49 (Pro) | $49 (Pro) | Website and funnels |
| CoachAccountable | $40 (Level 1) | $120 (Level 3) | $250 (Level 4) | Website and funnels, email marketing |
| Coach Recap | $29 (Professional) | $29 (Professional) | $79 (Business) | Website, group space, courses |
| Calendly | $0 to $10 | $0 to $10 | $0 to $10 | Nearly everything except booking |
Two patterns stand out. Per-client pricing (CoachAccountable) rises fastest as you grow, and the cheapest headline prices (Systeme.io, Calendly) hide the cost of the tools you add around them. When you price a stack, add each extra subscription and the time spent copying data between tools. Our guide to coaching software with unlimited clients goes deeper on growth pricing.
How would you set up a German coaching practice in Coachful?
Here is the scenario practice set up step by step, with what the client sees at each stage. Budget an afternoon, or less if you ask the team to build the website for you.

- Connect Stripe and decide your VAT stance. Connect your own Stripe account under payments. Agree with your Steuerberater whether you use the Section 19 small-business exemption or charge 19% VAT, and set prices and invoice wording to match. Issue a test invoice and check it against the Section 14 fields. Client sees: nothing yet.
- Write your agreement in German and English. Upload your coaching agreement so it goes out for e-signature before the first call. Have a lawyer review the wording, especially cancellation and data protection terms. Client sees: a signing request right after booking.
- Build the booking page. Create a free 30-minute discovery call and a paid session type, set buffers and minimum notice, connect Google, Apple or Outlook, and add two intake questions in German. Client sees: times in their own time zone and a confirmation email with a video link.
- Create the 12-week program. Start from one of the 40+ program templates or ask Michelle to draft one, then add weekly goals, one daily habit and a morning check-in. Client sees: a branded home with this week's goal and today's tasks.
- Add check-ins. Use the morning and evening check-in flows and translate the questions. Client sees: a short prompt each morning, and their streak growing.
- Set up the group. Create the group program; the cohort group appears automatically when people enroll, with a feed, chat and weekly calls. Client sees: a group space with the other members and the next call.
- Ask for the website. Use "We'll build it for you" with your logo, photos and existing copy, and request an English and a German version of the homepage. Client sees: a site where every button leads to the discovery call.

After a month, open each client record to see check-in rates and status, and use the AI briefing before each session. If a client asks for their data under GDPR, export it as a ZIP from their record. For more context on invoicing workflows, see our guide to coaching invoice and payment software.
What red flags and switching costs should you watch for?
The biggest risks for a coach in Germany are invoices that do not meet Section 14, client data spread across vendors without DPAs, and pricing that jumps as you grow. Watch for these before you commit:
- Invoices you cannot use. If a tool only sends payment receipts without a sequential invoice number, your tax number and the VAT treatment, you will rebuild every invoice by hand. Test this in the trial.
- No DPA on request. If a vendor cannot send a data processing agreement and a sub-processor list, do not import client notes into it.
- Per-client billing for groups. A group of 12 counts as 12 clients on per-client plans. Check how "active client" is defined.
- Payment lock-in. Some platforms require their own processor or add a platform fee on top of Stripe. Check the fee line on the pricing page.
- No full export. Ask how you get notes, check-ins and agreements out. A CSV of contacts is not a full export.
- Trial terms that conflict. When a pricing page and its FAQ disagree on trial length, ask support in writing.
Switching costs are mostly time. Moving contacts is easy; moving program content, course lessons, signed agreements and months of check-in history is not. Coachful imports clients, programs and content for you during onboarding, which takes most of that work off your plate. If you are comparing across borders, our coaching software in Europe roundup covers the wider market, and the UK guide covers coaches who split clients between Germany and Britain.
Verdict: which coaching software should you choose in Germany?
Choose Coachful if you deliver programs, take payments, and want booking, agreements, invoices, check-ins, groups and your website under one login with one set of client data to protect. Choose Coach Recap or CoachAccountable for a small, purely 1:1 practice, Delenta if you want PayPal and portals without a website, Quenza if worksheets matter most and invoicing lives elsewhere, and Systeme.io or Calendly only as one piece of a larger stack. Whatever you pick, test one invoice against Section 14, ask for the DPA, and confirm your VAT status with a Steuerberater.
Coachful in one paragraph: a coaching platform for coaches who deliver programs, from solo coaches to small teams, covering booking, payments, contracts, programs, courses, community, website, email and an AI assistant. It is not a clinical records system, has no PayPal and no permanent free plan. To start, take the free trial and ask the team for the free white-glove build of your website or first program. More on the platform: coaching software, payment software and scheduling software.
Frequently asked questions
Do I need to charge VAT on coaching in Germany?
Not if you qualify for the small-business rule in Section 19 UStG: total turnover of no more than 25,000 euros in the previous year and no more than 100,000 euros in the current year. Above that, or if you opt out, most coaching is charged at the standard 19% rate. Your situation may differ, especially with clients abroad, so check with a Steuerberater.
What must a German invoice for coaching include?
Section 14 UStG lists the fields: both parties' full names and addresses, your tax number or VAT ID, the issue date, a unique sequential number, the type and scope of the service, the service date, the net amount, and the VAT rate and amount or a note on the exemption. Test one invoice from any tool against this list before you use it with clients.
Is Coachful GDPR-compliant for coaches in Germany?
Coachful is GDPR-ready and the company is based in Tallinn, Estonia, inside the EU. Clients' data can be exported in full as a ZIP. As with any vendor, request the data processing agreement before you import client data.
Can my clients use Coachful in German?
You write your own program content, check-in questions, emails and agreements, so those can be in German. Test the client-facing screens during the free trial to see how the interface reads for your clients.
What is Coachful's free white-glove service?
It is a free build service on every plan: you describe the website, funnel, program, course outline or email sequence you need, attach references and files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include video recording, logo design or ad management.
Which tool is cheapest for a coach just starting in Germany?
Systeme.io, Coach Recap and Calendly all list free plans, but each covers only part of the work, so you add other tools. Compare the full stack cost at the client count you expect in a year, not the entry price.
Does Coachful support PayPal?
No. Coachful takes payments through your own Stripe Connect or Razorpay account, including Apple Pay and Google Pay, and charges a 0% platform fee. If PayPal is essential to your clients, Delenta or Systeme.io list it.
Can I use one tool for 1:1 clients and a group program?
Yes, in Coachful, Delenta and, more partially, CoachAccountable. In Coachful, enrolling in a program creates a cohort group automatically, with a feed, chat and group calls next to each client's private record.
Is Coachful suitable if I am also a Heilpraktiker or therapist?
Use Coachful for the coaching side only. It is not HIPAA-certified and not built for clinical records or insurance billing, so clinical documentation belongs in a dedicated clinical system. Coaching is not treatment; refer clients to a medical or mental health professional when their needs go beyond coaching.
How hard is it to switch coaching software later?
Contacts move easily; program content, signed agreements and check-in history take the most work. Choose a tool that offers a full data export, and if you move to Coachful, clients, programs and content are imported for you during onboarding.
