Best CRM for ADHD Coaches: 5 Options Ranked

The best CRM for ADHD coaches is the one that keeps a client moving between sessions, not just the one that stores their email address. ADHD coaching lives or dies on follow-through: the reminder that lands before the call is forgotten, the two-minute evening check-in, the habit streak that makes progress visible. So the deciding question is simple. Does the CRM hold the lead, the signed agreement, the payment, the session notes and the daily accountability in one place your client will actually open?
Our pick is Coachful, because it covers the whole client journey with one login for you and one branded app for the client, including habits, morning and evening check-ins and SMS or WhatsApp reminders. We make Coachful, so we have tried to be specific about where the other four tools are a better fit. Below, you will find what each stage of an ADHD client journey needs, a stage-by-tool coverage table, the five ranked CRMs, two stack recipes with real listed costs, and how to migrate without losing anyone.
For the wider picture beyond client management, see our guide to the best software for ADHD coaches and the general roundup of the best CRM for coaches.
What does an ADHD coaching client journey need from a CRM?
It needs fewer places to look and more nudges at the right moment, for both you and the client. A generic CRM tracks deals; an ADHD practice needs to track whether a client opened today's task, kept the appointment and is drifting quiet. Here is the journey in four stages.
Attract: capture the lead before the tab closes
Prospects for ADHD coaching may arrive after a late-night search or a recent diagnosis conversation with a clinician. They will fill in one short form, and they may not come back to a long one. Your CRM needs a lead form or lead magnet (a focus planner, a "first week after diagnosis" guide) that drops each person into a list with a source and a stage, plus an automatic follow-up email, because a lead who has to remember to book probably won't. If you run a free group session or a body doubling event as your front door, the CRM should record who attended so you can follow up the same day.
Enroll: make saying yes take one sitting
The consult call should be booked from a page that detects time zones, sets a minimum notice, and asks two or three intake questions so you walk in prepared. Reminders matter more here than in most niches: an email the day before plus a text close to the call cuts the "I completely forgot" no-show. After the call, the agreement, the payment (ideally with a payment plan) and the welcome should follow in one flow. Every extra login or separate e-signature tool is a place where an enthusiastic prospect stalls.
Deliver: the between-session layer
This is where ADHD coaching differs from most coaching. The work happens on Tuesday afternoon when the client is staring at an unopened email, not in the 50-minute call. Useful delivery features include short daily check-ins, habits with streaks, goals with visible progress bars, a short task list for this week, and a place to see your shared session notes. The client should be able to find all of it in one app. If you run accountability groups or co-working sessions, group calls and a small community feed belong here too. Our guide to client accountability portals for ADHD coaches goes deeper on this layer.

Retain: spot the quiet client early
Clients with ADHD can disengage silently: they miss one check-in, feel embarrassed, then miss the next session. A CRM that flags a client as quiet or at risk, based on activity rather than your memory, lets you send a low-pressure message before the relationship lapses. Renewals, payment plan status and a simple history of what you covered round out this stage.
The scope line every ADHD coaching CRM should support
Coaching is not diagnosis, therapy or medication management. The National Institute of Mental Health describes ADHD as a condition that is diagnosed and treated by health professionals (NIMH overview of ADHD). Refer clients to a qualified clinician when they ask about diagnosis or medication, when you see signs of depression, anxiety or substance use that go beyond the coaching agreement, and immediately if there is any risk of self-harm. The ICF Code of Ethics also asks coaches to be clear about the limits of the coaching relationship. Write this into your agreement and keep that signed agreement on the client record. None of the five tools below is a clinical record system, and you should not store clinical documents in them.
Which CRM covers each stage of the ADHD client journey?
Only Coachful covers all four stages natively; the others are strong at enroll and weaker at deliver and retain.
Ranking criteria: one login for the whole client journey, between-session delivery for clients who need nudges, total stack cost at your client count, and setup effort (including whether someone will build it for you).

How did we choose these five?
We started from the jobs in the journey above and checked what each vendor documents on its own site and pricing page, as listed in October 2026. We did not run hands-on trials for this roundup; we report vendor documentation and what public reviewers say.
- Client record depth. Can one record hold sessions, notes, goals, intake answers and payments?
- Between-session delivery. Habits, check-ins, tasks and reminders the client sees without a second app.
- Lead follow-up. Forms, stages and automatic emails so a curious prospect does not go cold.
- What the client sees. One branded place, or a scatter of emails and portals?
- Total cost at 5, 15 and 40 clients, including the extra tools you would need.
We left out Keap even though it appears in many CRM lists. As listed in October 2026 it starts at $299 per month for 1,500 contacts and 2 users, with a required one-time implementation package shown at $500, and it has no client portal, coaching programs or habit tracking. That is a sales automation tool for a team, not a client management system for a solo ADHD coach. Direct coaching platforms such as Practice Better, Satori and Simply.Coach are covered in our Paperbell alternatives for ADHD coaches.
1. Coachful: the whole ADHD client journey in one app
Coachful is a coaching platform where the CRM, the booking, the payments and the between-session program live in one account. You log in once; your client opens one app carrying your branding and finds their next session, today's tasks, their habits and your notes. For an ADHD practice, that single destination is the feature that matters most.

The client record: everything you need before a call
Each client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, plus an AI briefing that summarizes where the client stands. Clients carry a status of thriving, active, quiet or at risk, which is exactly the early warning an ADHD coach needs. Instead of noticing three weeks later that someone has gone silent, you see "quiet" on the dashboard and send a short, shame-free message. The coaching CRM page shows the full record.

Between sessions: habits, check-ins and reminders
Programs run for as many weeks as you set, with weekly goals, daily tasks, habits with streaks, goals with progress bars, and morning and evening check-ins. A morning check-in can ask "What is the one thing today?" and the evening one "Did it happen, and what got in the way?" That gives you real data for the next session instead of a client's best guess. Booking reminders go out by email, then by SMS 24 hours before and WhatsApp one hour before once messaging is enabled, which is the layering that helps with time blindness.

Here is a short walkthrough of how check-ins are set up:

Lead follow-up and enrollment without extra tools
The Prospects page lists every lead with the form or resource they came from and their stage. Funnels cover booking, application, lead-magnet and checkout flows, and email sequences can include triggers, delays and branching, so a lead who downloads your focus planner gets a follow-up series without you remembering to send it. Booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way sync to Google, Apple/iCloud and Outlook calendars and built-in video or auto-created Zoom, Meet or Teams links. Coaching agreements with e-signature go out before the first call and are stored on the client record; see coaching contracts.

Payments run through your own Stripe Connect or Razorpay account, with one-time payments, subscriptions, payment plans, coupons, refunds, Apple Pay and Google Pay. Coachful has charged a 0% platform fee since August 2026, so you pay only Stripe or Razorpay processing.
Group work, AI help and credential hours
Community feed, group chat and video events cover accountability groups and co-working sessions, and cohort groups are created automatically when clients enroll in a program. Michelle, the built-in AI assistant, works from your live practice data: she briefs you before sessions, drafts emails and summarizes recorded sessions. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. If you are working toward an ICF credential, Coachful counts your coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports a client coaching log (ICF hour tracking).
Why Coachful stands out: a free white-glove service. From Create, the "We'll build it for you · FREE" option lets you describe what you want built: a website, a lead-magnet funnel, an email sequence, a multi-week program, or a check-in flow. You can attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and any gaps are left for you to fill. For a coach who has put off setting up a CRM for months, handing over the build is often what gets it done. One example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Read more about the free white-glove service.

What Coachful does not do
- It is not HIPAA-certified and offers no BAA, so keep clinical records and insurance billing in a clinical system.
- No PayPal, and no permanent free plan (there is a free trial).
- No multi-stage sales deal board for large teams, and no Salesforce or HubSpot integration.
- The client app ships under the Coachful listing with your branding, not under your own App Store account.
Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. Monthly plans cancel in one click, lower plans cap the number of clients, and Pro is unlimited. See how it fits an ADHD practice on the Coachful for ADHD coaches page.
2. HoneyBook: polished paperwork for the enroll stage
HoneyBook is a client-management CRM for service businesses, and its strength is the moment a prospect says yes. Proposals, contracts and invoices can be combined into one branded file, which helps a client who would otherwise lose a contract email in their inbox.

Where it helps an ADHD practice
The enrollment flow is clean: a lead form, a scheduler for the consult, then a single proposal the client reviews, signs and pays. The client portal keeps files and payments together. Automations can send a follow-up when a lead goes quiet or a reminder before an invoice is due, which takes some memory load off you as the coach. If your own ADHD makes admin the bottleneck in your business, this part is genuinely helpful.
Pricing as listed in October 2026
- Starter: $29/month billed annually (the monthly price was not shown), unlimited clients and projects, 2 live lead forms.
- Essentials: $59/month ($49/month annually), up to 2 team members, 10 lead forms.
- Premium: $129/month ($109/month annually), unlimited team members and lead forms.
The pricing page states a 30-day free trial with no credit card. HoneyBook is the payment processor, and its pricing page conflicts on card fees: the FAQ says 2.7% + 10¢ while the plan comparison shows 2.9% + 25¢. ACH is listed at 1.5%. Our earlier profile notes that prices rose in February 2025 from $19, $39 and $79 to $36, $59 and $129 monthly. On Trustpilot HoneyBook showed 4.1 from 748 reviews when we checked on October 25, 2026.
The catch
The scheduler and automations are not on Starter, so a realistic ADHD coaching setup starts at Essentials. More importantly, there is no delivery layer: no programs, courses, habits, check-ins or community. Your clients would sign and pay in HoneyBook, then go somewhere else for the accountability work, which means two logins for them and two places for you to check whether they are slipping. Payments must also run through HoneyBook's own processing rather than your existing Stripe account.
Pick it over Coachful if your coaching is mostly single sessions or short VIP days with no between-session program, and what you want most is beautiful proposals and contracts with payment in one file.
3. Dubsado: deep workflows for the admin-minded coach
Dubsado is a client workflow CRM built around forms, contracts, invoices, a scheduler and automated workflows. It rewards coaches who enjoy mapping a process once and then letting it run.

What the workflows can do for you
You can chain steps such as: lead form submitted, send consult link, consult booked, send questionnaire, send contract and invoice after the call, send a welcome packet when payment clears. For an ADHD coach who forgets the fourth step of onboarding every third client, a built workflow is a real relief. Forms are flexible, so your intake questionnaire can ask about focus patterns, current supports and what the client wants from coaching. Optional surcharging can pass card costs to the client.
Listed prices, October 2026
- Starter: $35/month ($27.92/month annually), unlimited clients and projects, 1 active lead-capture form.
- Premier: $55/month ($43.75/month annually), unlimited lead forms.
Dubsado offers a 21-day trial with full Premier access and no credit card. It states no platform fee; your processor's rates apply.
Limits to weigh
Starter has no scheduler or automations, so the workflows that make Dubsado worth it require Premier. Dubsado says it does not include website building and is not an email marketing platform, so your lead magnet and nurture emails live elsewhere. The mobile app is a companion; full functionality needs the desktop web app, which matters if you manage your business from your phone between calls. There are no courses, community, habits or check-ins, so the client experience after signing is whatever separate tool you add. Setup is also a project in itself: building good workflows takes a focused afternoon or several, which can become another task that sits on the list.
Pick it over Coachful if you want granular, desktop-based control over every admin step, you already have a website and email tool you like, and your clients do not need a daily accountability app from you.
4. Paperbell: simple session packages for solo coaches
Paperbell is an all-in-one admin tool for solo coaches: booking, packages, payments, contracts, a client portal and a simple website, all at one price. It is the closest direct coaching substitute in this list.

Why ADHD coaches shortlist it
There is very little to configure. You create a package (for example, six sessions over three months), connect payments, and send one link; the client books, signs and pays in one flow. That low setup burden suits a coach who knows they will abandon a complicated system. Unlimited clients, sessions and packages on the single plan mean no tier decisions.
The price, as listed in October 2026
One plan at $97/month ($80.83/month billed annually) with unlimited clients, sessions, files, packages and traffic. Paperbell lists no additional transaction fees; Stripe and PayPal processing fees apply. There is a 30-day money-back guarantee. The trial length is not on the pricing page; its help center (as of July 2026) described a 7-day trial with the public site offline and client messages and SMS off. Trustpilot showed 3.5 from 14 reviews on October 25, 2026.
What it leaves out
Paperbell has no goal or habit tracking, no courses and no community, according to our earlier profile of the product. There is no native mobile app, only the mobile browser. For ADHD coaching specifically, that means the between-session layer (daily check-ins, streaks, visible progress) has to come from another tool, which reintroduces the second login you were trying to avoid. At $97 per month it is also not the cheapest way to get booking and payments if you only see a handful of clients. We compare it with other options in Paperbell alternatives.
Pick it over Coachful if you sell straightforward session packages, want PayPal as a payment option, and prefer the smallest possible feature set over program delivery.
5. HubSpot: a sales CRM for list-heavy coaches
HubSpot is a general-purpose CRM and marketing suite. Its free CRM tracks contacts, companies, deals and tasks, and paid tiers add email marketing, landing pages and pipelines. It was designed for sales teams, which shapes everything about how it feels for a coach.

Where HubSpot earns a place
If your ADHD coaching business is driven by a large audience (a podcast, a newsletter, workshops for employers), HubSpot handles the top of the funnel well. The free tier covers up to 2 users and 1,000 contacts with 2,000 email sends a month (with HubSpot branding), one meetings link and up to 30 landing pages. Deal stages can track corporate inquiries such as workplace ADHD workshops alongside individual leads.
Cost, as listed in October 2026
- Free tools: $0, up to 2 users and 1,000 contacts, no time limit and no credit card.
- Starter (Customer Platform, Marketing Hub or Sales Hub): $20 per seat per month standard, with a limited-time new-customer promotion at $10 monthly or $7 billed annually.
- Professional: $100 per seat per month ($90 annually) plus a required one-time onboarding fee not shown on the platform page.
HubSpot Payments charges 2.9% on cards, and after the first year a 0.5% HubSpot platform fee applies per transaction. Trustpilot showed 1.5 from 1,176 reviews on October 28, 2026.
Why it ranks last here
Nothing in HubSpot is built for delivery: no client app, programs, habits, check-ins or session notes tied to a coaching agreement. You would track a client as a "deal" and then deliver the coaching somewhere else entirely. The interface is dense, which is a real cost for a coach who already finds busy dashboards draining. If you are leaving HubSpot, see how to manage client CRM without HubSpot.
Pick it over Coachful if you run a team that sells ADHD workshops or programs to employers through a multi-stage pipeline and needs a Salesforce-style deal board, with delivery handled in a separate system.
What does each stack cost: all-in-one or assembled?
An all-in-one setup costs one subscription; an assembled stack usually costs more and always adds logins for your clients. Here are two recipes an ADHD coach might actually run.

Recipe A: all-in-one
Coachful alone: lead funnel and email sequence, booking with SMS and WhatsApp reminders, agreement and payment plan, a 12-week program with morning and evening check-ins, habits, a small accountability community, and client status alerts. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. Your clients install one app.
Recipe B: assembled from the tools above
One realistic version: HubSpot's free CRM for the lead list and emails ($0, with HubSpot branding), Dubsado Premier for intake, contracts, invoices and scheduling ($55/month as listed), plus a separate habit or check-in app and a course or community host for delivery. We have not priced those last two here because the choice varies; add their listed prices before you compare. Clients would touch at least three systems, and you would check three places to see who is falling behind. Our list of habit tracking apps for ADHD coaches covers the delivery options.
Monthly cost by client count
Prices are monthly list prices as published in October 2026, before payment processing. Example client counts are illustrative.
| Setup | 5 clients | 15 clients | 40 clients | What is still missing |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients | Nothing for the four stages |
| HoneyBook Essentials | $59 | $59 | $59 | Habits, check-ins, programs, community, email marketing tool |
| Dubsado Premier | $55 | $55 | $55 | Website, email marketing, delivery layer |
| Paperbell | $97 | $97 | $97 | Habits, goals, courses, community |
| HubSpot Free plus Dubsado Premier | $55 plus delivery apps | $55 plus delivery apps | $55 plus delivery apps | Habit and check-in app, community host |
The flat-priced tools look cheap at 40 clients until you add the delivery apps they lack, and those apps often charge per client or per member. Count the whole stack, and count the hours you spend switching between tools.
How do you migrate your ADHD clients without losing anyone?
Move in one planned week, tell clients exactly what changes for them, and keep the old system read-only for a month. Migration is a classic task that stalls halfway, so make it small and finite.
- Export first. Pull a CSV of contacts, active packages and payment status, plus any session notes. Check that recurring payments are documented before you touch them.
- Pick a cutover date between sessions. Avoid the week a cohort starts or a payment plan renews.
- Rebuild the client-facing pieces first. Booking page, agreement template, welcome flow and check-ins. In Coachful, clients, programs and content are imported for you during onboarding, and the white-glove team can build the funnel or program if you send a description.
- Send one short message per client. "Starting Monday, your sessions, tasks and check-ins live in one app. Here is the link. Nothing else changes." One link, one action.
- Move recurring payments carefully. Recreate subscriptions in the new system and cancel the old ones only after the first new charge succeeds.
- Watch for quiet clients in week one. Anyone who has not logged in by day three gets a personal nudge.
For the longer version, read our CRM consolidation and cutover guide.
Verdict: which CRM should an ADHD coach choose?
Choose Coachful if your clients need support between sessions, which for ADHD coaching is most of them. It is the only tool here that keeps the lead, the agreement, the payment, the session notes and the daily check-ins in one record and one client app, and it flags quiet clients before they drop off. HoneyBook and Dubsado are good enrollment tools that stop at the signed contract. Paperbell is the simplest way to sell session packages but offers no accountability layer. HubSpot suits a team selling to employers, not a solo coach delivering programs.
What Coachful is, in short: a coaching platform for coaches who deliver programs, not just sessions, including solo coaches growing into a small team and coaches replacing four to six tools. It does not offer HIPAA certification, PayPal or a sales deal board for large teams. To start, open a free trial and request the free white-glove build for your site, funnel or first program. Frequently asked questions
What is the best CRM for ADHD coaches?
For most ADHD coaches, Coachful, because it combines lead follow-up, booking, payments and between-session habits and check-ins in one client app. If you only sell single sessions and want polished proposals, HoneyBook is a reasonable second choice.
Do ADHD coaches need a HIPAA-compliant CRM?
Coaching is not health care, so most coaching practices do not process the kind of records HIPAA covers. If you are also a licensed clinician billing insurance, keep clinical records in a clinical system with a BAA. Coachful is not HIPAA-certified, and none of the tools in this list should hold clinical notes.
Can I use a free CRM for my ADHD coaching business?
HubSpot's free CRM covers up to 2 users and 1,000 contacts at no cost, as listed in October 2026. It handles lead tracking, not delivery, so you would still need tools for booking, contracts, payments and client accountability.
Which CRM has reminders that help clients with time blindness?
Look for layered reminders across channels. Coachful sends email reminders plus SMS 24 hours before and WhatsApp one hour before a session once messaging is enabled. HoneyBook and Dubsado automate email follow-ups on their higher plans.
What should an ADHD coach track in a client record?
Goals, session notes, intake answers, the signed agreement, payment status, and between-session activity such as check-ins and habit streaks. Activity is what tells you a client is drifting before they miss a session.
Is Coachful's white-glove build service really free?
Yes. It is free on every plan: you describe what you want built, attach references and files, and the Coachful team builds it in your account, usually within about 24 hours. It covers things like websites, funnels, programs, email sequences and forms, but not video recording, logo design or ad management.
Can I run ADHD accountability groups or body doubling sessions in a CRM?
Most CRMs cannot. Coachful includes group calls, video events, a community feed and cohort groups created automatically when clients join a program. With HoneyBook, Dubsado, Paperbell or HubSpot you would add a separate video and community tool.
How hard is it to switch CRMs mid-program?
It is manageable if you cut over between sessions, rebuild the client-facing pieces first, and send each client one short message with one link. Keep the old system read-only for a month and move recurring payments only after the first new charge succeeds.
Is Paperbell or Coachful better for ADHD coaching?
Paperbell suits a solo coach selling simple session packages who wants PayPal. Coachful suits coaches who want clients to have daily check-ins, habits and visible goal progress in the same app as their bookings.
