Top 5 GDPR Compliant Coaching Software in 2026

Top 5 GDPR Compliant Coaching Software in 2026

The best gdpr compliant coaching software is the one that keeps your client data in as few systems as possible, lets you export or delete a client's records on request, stores signed consent where you can find it, and comes from a vendor that will sign a data processing agreement. That last point matters more than any badge on a homepage: no coaching platform is "GDPR certified", because compliance is shared between you (the controller) and the vendor (your processor). So the deciding question is simple. How many processors does your client data pass through, and can you answer a client's access or deletion request in one afternoon?

Our pick is Coachful, a coaching platform built in Tallinn, Estonia, inside the EU. Booking, payments, e-signed coaching agreements, programs, check-ins, courses, community, website and email sit under one login, which means one vendor to vet instead of five, and a full client data export as a ZIP when someone asks what you hold on them. We make Coachful, so weigh that, and read the four alternatives below with the same checklist. Each one fits a different kind of practice, and we say plainly where each one beats us.

This guide is written for coaches based in the EU or UK and for coaches anywhere who work with EU or UK clients. It is practical guidance, not legal advice. For your specific situation, check with a data protection adviser or attorney.

What do coaches with EU or UK clients actually need from software?

You need software that makes your GDPR duties easy to carry out day to day: a lawful basis and consent record for each client, a short list of processors with signed agreements, and a way to export, correct or erase one person's data without digging through six apps. Everything else is a nice-to-have.

The General Data Protection Regulation applies to any coach who offers services to people in the EU, wherever the coach is based (GDPR, Regulation (EU) 2016/679, official text). The UK runs its own version, the UK GDPR, with guidance from the Information Commissioner's Office (ICO UK GDPR guidance). In practice, a coaching practice touches personal data at every step of the client journey:

  • Enquiry and discovery call. Name, email, phone, sometimes a short application describing what the person is struggling with.
  • Intake. Goals, history, and in health, fitness, ADHD or relationship coaching, details that can count as health data. Health data is a special category under Article 9 of the GDPR and needs an extra condition, usually explicit consent.
  • Agreement. A signed coaching agreement that explains confidentiality, how notes are kept and for how long. Our guide to coaching agreement privacy and GDPR walks through the clauses.
  • Delivery. Session notes, check-ins, habit logs, messages, recordings, worksheet answers.
  • Payment. Invoices and transaction records, which tax rules often require you to keep for years even after a client asks to be forgotten.
  • Offboarding. Export on request, retention schedule, then deletion.

Each tool that touches this data is a processor you are responsible for. The European Data Protection Board's data protection guide for small business, on its website, is a plain-language starting point on what that means. If you are in the UK, you will probably also need to pay the ICO data protection fee unless an exemption applies (ICO data protection fee).

So when you evaluate gdpr compliant coaching software, ask every vendor five questions:

  1. Will you sign a data processing agreement (DPA) that meets Article 28?
  2. Where is client data stored, and which sub-processors do you use? If data leaves the EU or UK, what transfer mechanism covers it? The European Commission publishes the list of countries with an adequacy decision on its data protection pages.
  3. Can I export one client's full record, and all of my data, in a usable format?
  4. Can I delete a client's data, and what stays behind in backups or payment records?
  5. Where do signed consent and agreements live, and can I show them later?

Our longer explainer, GDPR for coaches: data, rights, vendors and practical preparation, covers records of processing, breach handling and retention in more depth.

Which GDPR compliant coaching software is best at a glance?

Ranking criteria: one login for the whole client journey (fewer processors to vet), between-session delivery, total stack cost, and setup effort including Coachful's free white-glove build.

How did we choose and rank these tools?

We pictured one realistic practice and asked which setup leaves the coach with the least data-protection admin and the most useful client experience. The example: a coach in Dublin with 15 private clients across Ireland, Germany and the UK, plus one eight-week group program of about 12 people. Some clients share sleep and stress details on intake, so a few records include health information.

That coach has to run discovery calls, send and store a signed agreement, collect payment, deliver weekly check-ins, host group calls, and answer the odd access request. We then counted how many separate vendors each option needs to cover those jobs, because every extra vendor is another DPA to sign, another sub-processor list to check, and another place a client's data might linger after deletion.

We did not run hands-on tests of every product. The comparison uses what each vendor documents on its own site and pricing page in October 2026, plus what public reviewers report. We did not include tools that publish no pricing. We also left out tools that can't serve a coaching client journey at all.

Two rules shaped the order. First, a tool that covers more of the journey ranks higher, because consolidation is the single biggest GDPR win for a solo coach. Second, a direct coaching-admin substitute had to beat the rest on something specific to EU and UK coaches to rank in the top half. None of the substitutes we looked at did on our criteria, so Practice Better, the strongest of them for health-adjacent coaching, sits at #4.

1. Coachful: why does one system make GDPR easier?

Laptop on an oak desk showing Coachful's client overview next to a labelled filing box
Coachful's client overview with demo client profiles on a laptop beside a labelled filing box.

Coachful puts the whole client journey in one place, so your data map has one main processor instead of five. A prospect books, answers intake questions, signs the coaching agreement, pays, joins a program and checks in daily, all inside one account. When a client asks for their data, you export it from one system; when they ask you to delete it, you delete it from one system (keeping the payment records the tax rules require you to hold).

The company is based in Tallinn, Estonia, and the platform is GDPR-ready. It is built for coaches who deliver programs, not just sessions: solo coaches growing into a small team, and coaches replacing four to six tools. Coachful has a Trustpilot rating of 4.5 from 21 reviews.

What the client journey looks like inside it

  • Booking and intake. Booking pages with availability rules, buffers, minimum notice and time-zone detection, which matters when clients span Dublin, Berlin and London. Intake questions sit on the booking itself. Calendars sync both ways with Google, Apple/iCloud and Outlook, and sessions use built-in video or auto-created Zoom, Meet or Teams links. See scheduling software.
  • Agreements. Coaching agreements with e-signature go out before the first call and are stored on the client record, so proof of what the client agreed to is one click away. More on coaching contracts.
  • Payments. Through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax for VAT. Coachful takes a 0% platform fee (since August 2026); you pay only Stripe or Razorpay processing. An invoice is created per transaction, and you can issue manual invoices.
  • Client record. Goals, check-ins, habits, notes, intake answers, tags, payments and sessions on one page, with a status of thriving, active, quiet or at risk. See coaching CRM.
  • Between sessions. Multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, progress bars and streaks. Courses with drip and completion tracking, a community feed, group chat and cohort groups created automatically on enrollment.
  • Marketing. A website builder with blog, custom domain and 30 designed homepage templates, booking and lead-magnet funnels, and email sequences with branching, so lead data also stays in the same place.

The data-protection details that matter

Three things make day-to-day compliance lighter. The full client data export produces a ZIP with roster, notes, check-ins, goals, habits, sessions and form responses, which covers most access and portability requests in minutes. Signed agreements live on the client record rather than in an inbox. And because booking, intake and delivery share one database, you don't have copies of the same intake answers sitting in a scheduling tool, a form tool and a spreadsheet.

Michelle, the built-in AI assistant, works from your live practice data: it briefs you before sessions, summarizes recorded sessions and drafts emails. If you use AI on client data, mention it in your privacy notice and agreement, as you would any processing. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits.

Here is a short walkthrough of the client area, where most of that personal data lives:

Where it falls short

  • It is not HIPAA-certified and offers no BAA. It is not built for clinical record-keeping or insurance billing. If you also practise as a therapist or clinician, keep clinical records in a clinical system.
  • No PayPal, and no permanent free plan.
  • The client app ships under the Coachful listing with your branding, not under your own App Store account.
  • No Garmin, Fitbit, Whoop or Oura sync, and no Salesforce or HubSpot integration.

Why Coachful stands out: a free white-glove service. From Create > We'll build it for you · FREE, you describe what you want built (a website, funnel, program, course outline, form, email sequence and more), attach up to 8 reference links and 10 files, and the Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. For a GDPR-minded coach, that can include the intake form or worksheet you then review against your privacy notice. One recent build: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Read more about the free white-glove service.

Price: flat monthly plans; lower plans cap the number of clients, Pro is unlimited, and team plans add seats (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click, and there is a free trial.

2. Quenza: is a narrow tool safer for between-session work?

Quenza suits coaches who mainly need to send activities, worksheets and short programs between sessions, and who already have booking and payments handled elsewhere. A smaller feature set can mean a smaller data footprint inside that one tool.

Quenza homepage introducing its client engagement tool for coaches and therapists
Quenza's homepage in October 2026.

It is a client-engagement tool used by coaches and therapists. You build activities and worksheets, string them into programs, chat with clients and give them a client app. Pricing, as listed in October 2026: Spark $25/mo ($20/mo billed annually) for 1 professional and 10 clients; Growth $50/mo ($40/mo annually) for 250 clients; Impact $125/mo ($100/mo annually) for 400 clients; Collective $160/mo ($128/mo annually) for up to 3 professionals and 500 clients; and a custom Beyond plan. There is a 30-day free trial with no credit card. Quenza holds a Trustpilot rating of 4.3 from 8 reviews.

The catch for a GDPR data map

Quenza does not process client payments today; invoicing and digital products are marked as planned. An older profile also notes no scheduling or video calls. So a coach on Quenza typically adds a booking tool, a payment tool and an e-signature tool, and each of those holds its own copy of the client's name and email. That is three or four DPAs instead of one, and three or four places to search when someone asks to be forgotten. Spark also caps you at 10 clients.

Pick it over Coachful if you already run booking and billing through tools you trust, you mainly need structured worksheets between sessions, and you want a tool that is familiar to therapists you refer to.

3. Systeme.io: can a free marketing suite carry client data?

Systeme.io is a strong low-cost choice for the marketing side of a coaching business, but it is not built to hold 1:1 client records, so it covers half the journey at most.

Systeme.io homepage promoting its all-in-one marketing and funnel suite
Systeme.io's homepage in October 2026.

As listed in October 2026, the Free plan costs $0/mo and includes 2,000 contacts, 3 funnels, 1 course with 500 students, a blog, a custom domain, one automation rule and one email campaign. Startup is $17/mo (5,000 contacts, 10 funnels, 5 courses), Webinar $47/mo (10,000 contacts, 50 funnels, 20 courses) and Unlimited $97/mo. There are 0% transaction fees on every plan, with Stripe or PayPal processing only, and no card is required to start. It has a Trustpilot rating of 4.9 from 8,696 reviews, the largest review base in this list.

What you would still need

An older profile notes no native 1:1 scheduling with client records, habits or check-ins, basic community and course features, and no branded mobile app. That means your discovery-call bookings, signed agreements and session notes go somewhere else. From a GDPR angle, Systeme.io becomes your lead and email processor, which is fine, but you need consent records for marketing emails (separate from your coaching agreement) and a second system for delivery. Keep the two privacy notices consistent so a client who asks for deletion is removed from both.

Pick it over Coachful if your budget for the year is close to zero, most of your income comes from low-ticket courses or email offers, and you are happy to keep client delivery in a separate tool.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

4. Practice Better: when does a practitioner platform fit?

Practice Better is the closest match here for health, nutrition and wellness coaches whose work sits near clinical territory, because it was built for practitioners who chart. If your intake routinely collects symptoms, medications or diagnoses, its record-keeping design is worth a look.

Practice Better homepage presenting its practice management platform for wellness practitioners
Practice Better's homepage in October 2026.

It covers scheduling, telehealth, charting, billing, programs and a client portal. Plans as listed in October 2026: Sprout $0/mo for 3 clients and 100 MB; Starter $35/mo ($25/mo annually) for 10 clients; Professional $69/mo ($59/mo annually) for 300 clients; Plus $99/mo ($89/mo annually) for unlimited clients and 3 admins; Team $155/mo ($145/mo annually) for 2 practitioners, up to 200 at $50 each. Trials run 30 days on Team and 14 days on other paid plans. Payments run through Practice Better Payments, powered by Stripe. It holds a Trustpilot rating of 3.8 from 87 reviews.

Limits worth knowing

  • Evergreen programs, portal branding, a custom URL and SMS start on the Plus plan.
  • No website builder or funnel pages, per an older profile, so lead capture lives in another tool.
  • One practitioner per account below Team.

Health data is special category data under the GDPR. Whichever tool you use, ask the vendor directly where EU client data is stored and request its DPA and sub-processor list before you import anyone. Coaching is not medical treatment; if a client describes symptoms that need assessment, refer them to a doctor or licensed clinician and keep clinical records out of your coaching file.

Pick it over Coachful if you are a nutrition or wellness practitioner whose work includes charting, and you want a practice-management tool designed around that, even if it means a separate website and marketing stack.

5. Calendly: is a booking-only tool enough?

Calendly is enough only if booking is the one thing you need software for. It collects very little data, which is attractive from a minimisation point of view, but everything after the booking happens in other tools.

Calendly homepage presenting its scheduling and booking tool
Calendly's homepage in October 2026.

As listed in October 2026, the Free plan covers 1 event type and 1 calendar connection. Standard is $10 per seat per month billed annually, with up to 6 calendar connections and unlimited event types; Teams is $16 per seat annually; Teams Plus $24 per seat annually; and Enterprise starts at $15k a year with a 50-seat minimum. You connect your own Stripe or PayPal for paid bookings. Calendly has a Trustpilot rating of 4.1 from 714 reviews.

Where the data trail goes next

Calendly has no client records, notes, programs, habits or check-ins, no contracts and no invoicing, and intake is limited to booking questions. A coach on Calendly usually adds a notes tool, an e-signature tool, a payment tool and a messaging app. That is the classic five-tool stack, and each tool needs its own DPA, its own deletion process and its own line in your record of processing. Our post on coaching software costs to review shows how those subscriptions add up.

Pick it over Coachful if you coach a handful of clients, keep notes offline or in a tool you already use, and only want people to book a slot without email back-and-forth.

Which features does each tool cover?

Coachful is the only tool here that covers booking, agreements, payments, delivery and marketing in one place. The matrix uses what each vendor documents; "not listed" means we found no mention.

What will each option cost at 5, 15 and 40 clients?

For a coach who needs booking, payments, agreements and delivery, the single-tool price is only part of the story; the other tools add up. The table shows each vendor's own plan at each client count, as listed in October 2026.

Tool5 clients15 clients40 clientsWhat you still add
CoachfulLite: $29/month for up to 5 clientsSolo: $49/month for up to 20 clientsPro: $99/month with unlimited clientsNothing required beyond payment processing

Calendly$0/mo (Free) or $10/mo annual (Standard)$10/mo annual (Standard)$10/mo annual (Standard)Notes, agreements, payments, delivery, website

The figures above are monthly prices, and payment processing fees are extra in every case. For a stack built around Calendly or Quenza, add the cost of each extra tool you need, and add the time it takes to keep several privacy notices, DPAs and deletion routines in sync.

How would you set up a GDPR-minded practice in Coachful, step by step?

Here is a worked example for the Dublin coach from earlier: 15 private clients and one group program. It takes an afternoon to configure, and every step is something the client actually experiences.

Tablet showing a client's coaching progress page next to a laptop showing a payments list
The client's My Coaching page on a tablet and the coach's payments tab on a laptop, both with demo data.
  1. Write your privacy notice first. List what you collect, why, the lawful basis, how long you keep it and who your processors are. Add it as a legal page on your Coachful website and link to it from your intake and agreement. Client sees: a privacy policy page they can read before they share anything.
  2. Build a lean intake. Add only the intake questions you will genuinely use. If you coach around sleep, stress or nutrition, add a separate, explicit consent statement for health information. See coaching forms and questionnaires. Client sees: three to six questions on the booking page, with a clear consent line.
  3. Send the agreement before the first call. Include confidentiality, note-keeping, retention and the scope line: coaching is not therapy or medical care, and you will suggest a referral if something needs a clinician. Client sees: an e-signature request; the signed copy is saved on their record.
  4. Connect your own Stripe account. Turn on Stripe Tax if you charge VAT. Client sees: a checkout with card, Apple Pay or Google Pay, and an invoice for each payment.
  5. Enroll them in the program. Set weekly goals, daily tasks and a morning or evening check-in. The cohort group is created automatically for the group program. Client sees: their My Coaching page with programs, sessions, progress and documents.
  6. Keep notes factual. Write session notes you would be comfortable for the client to read, because under an access request they may. Our session notes guide has templates.
  7. Set a retention routine. Once a quarter, review clients who finished more than your retention period ago. Export their record as a ZIP if you need an archive, then delete what you no longer need, keeping invoices for as long as your tax rules require (check with an accountant).
Client portal My Coaching page with Overview, Programs, Sessions, Progress and Documents tabs

When an access request arrives, you export the client's data, check it, and send it within the one-month deadline the GDPR sets. When a deletion request arrives, you remove the client from one system and note what you retained for legal reasons. If you work with health clients in particular, the Coachful page for health coaches shows how programs and check-ins fit that niche.

What mistakes do coaches make with GDPR and software?

The most common mistake is treating "GDPR compliant" on a vendor's homepage as the end of the job. A platform can support compliance; only your practices make you compliant. Watch for these:

  • Tool sprawl. Five apps means five copies of every client's email, five DPAs and five deletion steps. Consolidate where you can.
  • No signed DPA. Many vendors include one in their terms or offer one on request. Save a copy for each processor in your records.
  • Bundling marketing consent into the coaching agreement. Consent to emails must be separate and freely given.
  • Collecting health details "just in case". Ask only what you need, and get explicit consent when you do.
  • Session notes in personal apps. Notes in a phone's notes app or a personal cloud drive are hard to find, export or delete on request.
  • Keeping everything forever. Set a retention period, write it in your agreement and follow it.
  • Using AI on client data without saying so. List it in your privacy notice and tell clients what it does.
  • Forgetting the UK fee. UK-based coaches usually need to pay the ICO data protection fee unless exempt.

Which GDPR compliant coaching software should you choose?

Choose Coachful if you want one system for booking, agreements, payments, programs and marketing, from an EU-based company, with a full client data export when someone asks. It reduces the number of processors you have to manage, which is the most practical GDPR improvement a solo coach can make, and the free white-glove build takes care of setup.

Choose Quenza if your work is mostly worksheets between sessions. Systeme.io is the pick if money is tight and marketing is your focus. Practice Better suits wellness practitioners who chart, and Calendly works if booking is genuinely all you need. Our guides for the UK and Ireland cover local payment and tax details, and our overview of online coaching business software maps every piece of the stack.

To recap what Coachful is: a coaching platform for coaches who deliver programs, including solo coaches growing into a small team. It does not handle clinical records, insurance billing or PayPal. To start, take a free trial and request the free white-glove build from the Create page.

Frequently asked questions

Is any coaching software "GDPR certified"?

No coaching platform can make you compliant on its own, and there is no general GDPR certificate for software that settles the question. Compliance depends on how you collect, use, store and delete data. Look for a vendor that signs a DPA, publishes its sub-processors and lets you export and delete data.

Is Coachful GDPR compliant?

Coachful is GDPR-ready and the company is based in Tallinn, Estonia, in the EU. It offers a full client data export as a ZIP and stores signed agreements on each client record. As with any platform, your own privacy notice, consent and retention practices complete the picture.

Do I need a data processing agreement with my coaching software?

Yes. Under Article 28 of the GDPR, a controller must have a contract with each processor that handles personal data on its behalf. Ask each vendor for its DPA and keep a copy with your records.

Does my client data have to stay in the EU?

Not necessarily. Data can leave the EU or UK if a valid transfer mechanism applies, such as an adequacy decision or standard contractual clauses. Ask each vendor where data is stored and how transfers are covered, and record the answer.

Is coaching intake data about health special category data?

Often, yes. Information about physical or mental health falls under Article 9 of the GDPR, so you usually need explicit consent. Ask only for health details you need, and refer clients to a doctor or clinician when something is outside coaching.

How fast must I answer a client's data access request?

The GDPR gives you one month, which can be extended in some complex cases. A single export from one platform makes this simple. The ICO's guidance explains the UK rules in detail.

Can I delete a client's data but keep their invoices?

Usually yes. The right to erasure has exceptions, including where you must keep records to meet a legal obligation such as tax rules. Check the retention period with an accountant and tell the client what you kept and why.

Is Coachful HIPAA compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA. It is not intended for clinical record-keeping or insurance billing, so keep clinical records in a dedicated clinical system.

What is Coachful's free white-glove build service?

Every Coachful plan includes a free white-glove build. You describe what you need, such as a website, funnel, program or intake form, attach references, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design or ad management.

Do UK coaches need to register with the ICO?

Most UK organisations that process personal data must pay the ICO data protection fee unless an exemption applies; the ICO's fee pages explain who is exempt. Coaches outside the UK who serve UK clients should check their own national regulator's rules as well.
