Best Scheduling Software for Business Coaches (7 Compared)

Best Scheduling Software for Business Coaches (7 Compared)

The best scheduling software for business coaches does more than show open slots. It sells a retainer or a block of sessions, takes payment before the call, asks the right intake questions about the client's business, sends reminders in the client's time zone, creates the video link, and then keeps the engagement moving between calls. A founder who books a strategy session and then hears nothing for two weeks is a founder who quietly stops showing up.

Our pick is Coachful, because booking, payments, contracts, intake answers, session notes and the client's between-session work all sit behind one login, and the client sees it in one branded app. We make Coachful, so weigh that, and read the six other entries on their merits: Calendly, Acuity Scheduling, Paperbell, TimeTuna, Setmore and TidyCal each win for a specific kind of business coaching practice, and we say which.

This guide is built as a decision tool. Answer five questions about your practice, check the table that maps your answers to a pick, then read the ranked sections, the feature matrix and the cost at 5, 15 and 40 clients. Vendor prices are as listed on their own pages in October 2026.

What do business coaches actually need from scheduling software?

Business coaches need a booking tool that matches how they sell: retainers, session packages and intensives, not one-off appointments. The calendar is the easy part; the hard part is what surrounds each booking.

Think about a typical business coaching client journey. A founder finds you through a podcast or a referral and books a free or paid discovery call. Before that call you want to know their revenue stage, team size, biggest constraint and what they have already tried, so the call is spent diagnosing rather than collecting facts. If they say yes, they buy a three-month or six-month engagement, sign an agreement, and get a set number of sessions or a monthly cadence. Between sessions they own action items: hire a first operations lead, rewrite the offer, fix the cash-flow forecast. At the end of the quarter you hold a review and, ideally, a renewal conversation.

Each step puts a demand on the scheduler:

  • Packages and session credits. A client who buys 12 sessions should book against that balance without paying again, and you should see how many remain before renewal.
  • Payment at booking. Paid strategy sessions and VIP days need card capture at the moment of booking, ideally through your own Stripe account so the money lands with you.
  • Intake on booking. Questions about revenue, headcount and goals belong in the booking flow, and the answers should land on the client record, not in an inbox.
  • Reminders that reach busy people. Founders live in their calendars and phones. Email reminders alone get buried; text or WhatsApp reminders close the gap.
  • Video links that suit corporate clients. Some clients can only join Teams; others prefer Zoom or Google Meet. The link should be created automatically.
  • Time zones. Business coaching is often remote and international. Detection on the booking page saves the "is that your 3pm or mine?" email.
  • What happens after the booking. Agreements, invoices a client can expense, session notes, action items and progress tracking. This is where standalone schedulers stop.

If you want the broader category view first, our parent guide to the best scheduling software for coaches covers every coaching niche. This article stays with business coaches.

Which five questions should you answer about your practice first?

Five answers decide most of this choice. Write them down before you open a single pricing page.

  1. Do you sell sessions one at a time, or packages and retainers? If every client buys a single call, a plain scheduler works. If you sell a 90-day engagement with six sessions, you need credits or packages.
  2. Do you need to take money before the first call? Paid strategy sessions and intensives need payment at booking. Free discovery calls do not.
  3. What happens between sessions? If clients leave each call with action items you want to track, the scheduler alone will not hold them. If you only meet and talk, it may.
  4. How many other tools are you paying for? Count the scheduler, contract tool, invoicing, client portal, email platform and website. If the answer is four or more, the total stack cost matters more than the scheduler's price.
  5. Are you solo, or adding associate coaches? A second coach changes the maths: some tools charge per seat, some include a team plan, some need round-robin booking.

How did we choose and rank these tools?

We started from the session types business coaches run most: discovery calls, paid strategy sessions, recurring retainer calls, half-day or full-day intensives, and group mastermind calls. For each tool we checked what the vendor documents on its pricing and product pages in October 2026, and what public reviewers report, using Trustpilot ratings seen on 25 October 2026. We did not run a hands-on test of every tool, and we say so wherever a detail is not listed.

We weighted four things. First, whether one login covers the whole client journey, because a business coach juggling five tools spends admin hours that could be billable. Second, what happens after the booking: agreements, invoices, notes and action items. Third, the total cost of the stack a business coach needs, not just the scheduler. Fourth, setup effort. Those criteria favour all-in-one coaching platforms, and we are open about that; if you only need a link that books calls, the cheaper schedulers further down are honest choices.

1. Coachful: best overall for business coaches

Coachful is a coaching platform where scheduling is one part of a single subscription that also covers payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. For a business coach, that means the booking is the start of the engagement rather than the end of the tool's job.

How booking works for a business coaching practice

Booking pages carry availability rules, buffers between calls, minimum notice and time-zone detection, so an international founder sees slots in their own time. Calendars sync two ways with Google, Apple/iCloud and Outlook, which matters when your client calendar lives next to board meetings and school runs. Each session gets either Coachful's built-in video or an automatically created Zoom, Google Meet or Microsoft Teams link, so a client at a corporate employer can stay on Teams while a startup founder uses Meet.

For the money side, paid sessions and session credits are both supported. You can sell a single paid strategy session, or sell a package and let the client book against their credits. Payments run through your own Stripe Connect or Razorpay account, with one-time payments, subscriptions for monthly retainers, payment plans for larger engagements, coupons, order bumps, refunds, Apple Pay and Google Pay, and Stripe Tax. Every transaction produces an invoice, and you can raise manual invoices for clients whose finance teams want one. Coachful charges a 0% platform fee (since August 2026), so only Stripe or Razorpay processing applies.

Intake questions sit inside the booking flow, so you can ask about revenue stage, team size and the problem they want solved before a discovery call. The answers land on the client record, and the Intakes page tracks intake calls, how many are upcoming and how many converted.

Reminders go out by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. For busy founders, that one-hour WhatsApp nudge is often the difference between a call that starts on time and one that starts with an apology.

Here is a short walkthrough of the scheduling side:

What happens after the call is booked

Coaching agreements with e-signature go out before the first call and are stored on the client record, so no engagement starts without signed terms. The client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, and each client carries a status of thriving, active, quiet or at risk. For a business coach with a dozen retainer clients, the "quiet" and "at risk" flags are an early warning that a renewal is in danger.

Between sessions, clients work inside your branded home in the Coachful app: multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, and goals with progress bars. A founder working through a 90-day growth plan can see this week's actions next to their next session.

Michelle, the built-in AI assistant, works from your live practice data. It briefs you before each session, summarises recorded sessions, drafts follow-up emails and can build program outlines. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. If you hold or are working toward an ICF credential, Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log.

Growing into a small firm? Team plans (Studio and Agency) add coach seats with per-coach availability and staff permissions, and multi-coach session types can assign bookings by round-robin or to the least-busy coach. Group calls, webinars and cohort groups created automatically on program enrollment cover mastermind formats. See the Coachful page for business coaches and the scheduling software overview for more detail.

Why Coachful stands out: a free white-glove service. On every plan, you can go to Create and choose "We'll build it for you · FREE", describe what you want, attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your own account, usually within about 24 hours. For a business coach that could be a booking funnel for paid strategy sessions, a sales page for a 12-week engagement, an application form, or a follow-up email sequence. One recent build was for a business mentor for beauty professionals, who got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. Nothing gets invented: no fake credentials, testimonials or prices; gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

Where Coachful is not the right fit

Coachful is not HIPAA-certified and is not for clinical records or insurance billing. It has no PayPal and no permanent free plan. It does not offer routing forms that pick a host from form answers, a multi-stage sales deal board for large teams, or Salesforce and HubSpot integrations; if you sell into enterprises through a full sales pipeline, keep your CRM. The client app ships under the Coachful listing with your branding, not under your own App Store account.

Who it is for, and how to start: business coaches who deliver programs, not just sessions, solo coaches growing into a small team, and anyone replacing four to six tools. Start with a free trial, then ask the team for a white-glove build of your booking funnel or website. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.

2. Calendly: the booking link your corporate clients already recognise

Calendly is a scheduling tool and nothing more, which is both its strength and its limit for business coaches. It is widely used, so many clients will have seen its booking pages before.

Calendly homepage with its scheduling pitch and sign-up buttons
Calendly's homepage in October 2026.

For a business coach, Calendly handles booking pages, reminders and workflows, and paid bookings through your own Stripe or PayPal account, with no Calendly fee on payments documented. That covers free discovery calls and paid one-off strategy sessions well. Booking questions let you ask a few things up front, though Calendly offers no intake questionnaires beyond those questions.

As listed in October 2026, the Free plan includes one event type, one calendar connection and 1:1 scheduling. That single event type is tight for a business coach who wants separate discovery, strategy and retainer call types. Standard is $10 per seat per month billed annually, with up to six calendar connections and unlimited event types. Teams is $16 per seat per month billed annually, with tiered pricing for larger teams, and Teams Plus is $24 per seat per month billed annually. Enterprise starts at $15k a year with a 50-seat minimum. Monthly billing prices were not shown in our October 2026 notes, and the trial terms were not rendered on the pricing page. Calendly holds a Trustpilot rating of 4.1 from 714 reviews, seen on 25 October 2026.

The gap shows after the booking. Calendly has no client records, notes, programs, habits or check-ins, and no contracts or invoicing. A business coach on Calendly typically adds a contract tool, an invoicing tool and somewhere to keep notes and action items. Pricing per seat also means each associate coach adds a seat cost.

Pick it over Coachful if you only run single sessions, you already have a contract, invoicing and notes setup you like, and your clients expect a familiar link more than a branded experience.

3. Acuity Scheduling: intake forms and packages, without a portal

Acuity Scheduling is the scheduler to look at when detailed intake and package sales matter most and you are happy to handle client delivery elsewhere. It is owned by Squarespace.

Acuity Scheduling homepage
Acuity Scheduling's homepage in October 2026.

For business coaches, the useful parts are intake forms, packages and memberships. You can sell a bundle of strategy sessions, attach a questionnaire about the client's business, and take payment through Stripe, Square, PayPal or Venmo; Acuity mentions no fee of its own, so your processor's rates apply. That makes it a stronger fit than Calendly for coaches who sell session blocks.

Prices as listed in October 2026: Starter $20/month ($16/month billed annually) for one calendar; Standard $34/month ($27/month annual) for up to six calendars; Premium $69/month ($55/month annual) for up to 36 calendars; Enterprise for unlimited calendars at a quoted price. Every plan has a 7-day free trial with no credit card. Text reminders start on Standard, so a solo business coach who wants SMS nudges for founders pays $34/month rather than $20. A HIPAA BAA is only on Premium, which matters little for business coaching. Trustpilot shows 3.6 from 687 reviews, seen on 25 October 2026.

What Acuity leaves out: there is no client portal for programs, habits, check-ins or messaging, and no courses, community, website builder or email marketing. Your quarterly action plans, session notes and agreements live in other tools. Our Acuity Scheduling review goes deeper on the trade-offs.

Pick it over Coachful if you want a standalone scheduler with intake forms, packages and several payment processors, and you already deliver client work through another system you are not willing to replace.

4. Paperbell: one price for solo coaching admin

Paperbell targets solo coaches who want booking, packages, payments and contracts in one place without the extra delivery features. It is the closest direct substitute to Coachful in this list.

Paperbell homepage pitching all-in-one admin for coaches
Paperbell's homepage in October 2026.

A business coach on Paperbell can sell a package, have the client sign a contract, take payment and let them book their sessions, all from one checkout flow. There is a client portal and a simple website. Paperbell states "no additional transaction fees", so Stripe or PayPal processing fees are what you pay on top.

There is one plan as listed in October 2026: $97/month, or $80.83/month billed annually, with unlimited clients, sessions, files, packages and traffic. The pricing page has a "Try For Free" button but does not state the trial length; Paperbell's help center in July 2026 described a 7-day trial with the public site offline and client messages and SMS switched off. There is a 30-day money-back guarantee. Paperbell is priced per coach. Trustpilot shows 3.5 from 14 reviews, seen on 25 October 2026.

The limits show once an engagement is underway. Paperbell has no courses, community, or goal and habit tracking, and no native mobile app; clients use a mobile browser. For a business coach who wants clients to track weekly actions against a 90-day plan, that work moves to a spreadsheet or another tool. For more options in this category, see our list of Paperbell alternatives.

Pick it over Coachful if you are a solo coach who only needs packages, contracts and payments wrapped around your calls, and you have no plans for programs, courses or a group offer.

5. TimeTuna: polished booking pages on a free plan

TimeTuna is a branded booking-page scheduler whose homepage lists coaches first among its audiences, followed by consultants, founders and agencies. Its free plan is unusually generous for a business coach who mostly runs discovery calls.

TimeTuna homepage with booking pages for coaches and consultants
TimeTuna's homepage in October 2026.

On the free plan, TimeTuna already includes unlimited booking pages, video backgrounds, two-way sync with Google, Microsoft and iCal, and automatic Google Meet, Teams and Zoom links, with no credit card required. Custom intake form fields and a custom domain start on Pro. Charging for sessions through Stripe requires the Executive plan. TimeTuna states no fee of its own on paid bookings; Stripe's processing fees still apply.

Prices as listed in October 2026: Free; Pro $11.50/month ($5.83/month annual) for a single user; Executive $23/month ($11.67/month annual) with team sharing for up to six people; and a White label plan at $116.67/month billed yearly only, set up on a call. Pro and Executive carry a 14-day free trial. One caution: the euro prices rendered on the site for us, and the USD figures come from the site's own price table rather than a page seen from a US location. We found no Trustpilot profile.

The gap is package and contract logic. TimeTuna's own comparison with Paperbell lists client packages and programs and contracts as "Coming soon". There is no client portal, course or community. A business coach selling retainers would still need other tools for agreements, credits and delivery.

Pick it over Coachful if you mainly need attractive booking pages for discovery calls at no cost, you take payment elsewhere, and you are not yet selling packages.

6. Setmore: the cheapest route to text reminders

Setmore is an appointment scheduling app with a booking page, reminders and payments, built for a wide range of service businesses rather than coaches specifically.

Setmore homepage promoting its appointment scheduling app
Setmore's homepage in October 2026.

Its appeal for business coaches is cost per user and SMS. Pro includes 500 SMS credits per user per month, which covers reminders for a busy solo practice. The Free plan allows up to four users and unlimited appointments, but only one email reminder, no SMS reminders and no two-way calendar sync, and that last point is a real problem for coaches whose personal and client calendars must stay in step.

Prices as listed in October 2026: Free; Pro $12/month per user, or $5/month per user billed annually, with unlimited users; Enterprise at a custom price. Pro can be tried "risk-free for 30 days" with a refund on request; the card requirement is not stated. Setmore's own fee on payments is not shown, so assume processor rates apply. Trustpilot shows 4.9 from 3,274 reviews, seen on 25 October 2026.

Setmore does not offer client programs, habits, check-ins, courses or community, and its pricing page shows no contracts or invoicing workflow. A business coach would pair it with separate tools for agreements, invoices and client work. For more reminder options, see our ranking of SMS reminder software for coaches.

Pick it over Coachful if your only problem today is no-shows, your budget is very small, and every other part of your practice already runs somewhere else.

7. TidyCal: lowest cost, fewest extras

TidyCal is a low-cost booking tool sold through AppSumo, with paid bookings and packages. It suits a business coach testing a first paid offer who wants to spend as little as possible.

TidyCal homepage showing its simple booking page tool
TidyCal's homepage in October 2026.

The Free plan includes unlimited booking types and bookings, one readable and one writable calendar, and basic integrations with Google, Office 365 and Apple. Packages let you sell a set of sessions. Lifetime plans exist (Individual and Agency, with prices not captured in our notes); Agency Lifetime adds 10 SMS reminders a month in the US and Canada. Pro is $12/month, or $8.25/month billed annually, with unlimited calendar connections and unlimited SMS reminders. No trial is stated, and refunds are only covered through a terms link. Trustpilot shows 3.1 from 182 reviews, seen on 25 October 2026.

Watch the payment fee. TidyCal takes a 1% platform fee on Stripe payments on the Free and Lifetime plans, with 0% on Pro, and Stripe fees on top. As an illustrative example, a coach collecting $3,000 a month in session fees through the Free plan would pay $30 a month to TidyCal before Stripe's own fee, which is more than Pro costs. TidyCal has no client records, notes, programs, habits or check-ins, and no courses, community, website builder or email marketing. Our guide to the cheapest scheduling software for coaches compares it with other budget tools.

Pick it over Coachful if you need the simplest possible paid booking link at the lowest cost and you are comfortable running agreements, notes and client work by hand for now.

Which features does each tool include?

What does each option cost at 5, 15 and 40 clients?

Most schedulers do not price by client count, so their line stays flat. The real difference is what else you must buy: a business coach on a pure scheduler still needs contracts, invoicing and somewhere to deliver client work, and those costs are not in the scheduler rows below.

Tool (plan needed for a business coach)5 clients15 clients40 clientsWhat is still missing

How to read this: at five clients, a standalone scheduler often looks cheapest. By 15 or 40 clients, most business coaches have added a contract tool, an invoicing tool, an email platform and a way to track action items, and the stack total is what you should compare. Price each extra tool from its own pricing page, add it to the scheduler line, and compare that sum with an all-in-one plan. Our guides to contract software for business coaches and invoicing software for business coaches list what those add-ons cost.

How would a business coach set this up in Coachful?

Here is a worked example for a solo business coach who sells a free discovery call, a paid strategy session and a 90-day engagement with six sessions. The offer names and structure are an example, not a recommendation of what to charge.

  1. Connect calendars and video. Connect Google, Apple/iCloud or Outlook for two-way sync, then choose built-in video or auto-created Zoom, Meet or Teams links per session type.
  2. Create three session types. A 30-minute discovery call (free), a 90-minute paid strategy session, and a 60-minute engagement session that books against credits. Set buffers, minimum notice and availability rules for each.
  3. Add intake questions to the discovery call. Ask for revenue stage, team size, the main constraint and what they have tried. Answers land on the client record and the Intakes page.
  4. Connect Stripe Connect or Razorpay. Set the strategy session as a paid booking. Set the 90-day engagement as a one-time payment or a payment plan, with six session credits for the client to book against.
  5. Attach your coaching agreement. Set the agreement to go out for e-signature before the first engagement call.
  6. Turn on reminders. Keep email reminders on, and enable messaging for SMS 24 hours before and WhatsApp one hour before.
  7. Build the 90-day program. Weekly goals such as "finalise pricing" or "document the sales process", daily tasks, and a weekly check-in. Use one of the 40-plus program templates, or ask Michelle to draft the outline.
  8. Publish a booking funnel. Use a booking funnel template, or request a white-glove build, so your website's "Book a strategy session" button leads straight to the paid session type.

After that, every new client follows the same path: intake, call, agreement, payment, credits, program, check-ins and a status flag that tells you who is thriving and who has gone quiet. For a broader look at platforms for this niche, see coaching software for business coaches and business coaching software compared.

What red flags and switching costs should you watch for?

The biggest risk is picking a scheduler for its price and then building a stack around it you cannot easily leave. Check these before you commit.

  • Per-seat pricing that grows with your team. Calendly and Setmore charge per seat or user. Adding two associate coaches triples the line.
  • Payment fees hidden in the free plan. TidyCal's 1% on Free and Lifetime plans scales with revenue, and business coaching sessions are often high-ticket.
  • Text reminders behind a higher tier. Acuity's SMS starts on Standard; Setmore's free plan has none.
  • "Coming soon" features. If a tool's own page marks packages or contracts as coming soon, plan as if they do not exist.
  • Package balances you cannot export. When you switch, you need each client's remaining credits, payment history and signed agreements. Ask how each tool exports them before you sign up.
  • Notes scattered across tools. Session notes in one app, action items in another and agreements in email make switching painful and renewal conversations harder.

Switching into Coachful, the team imports your clients, programs and content during onboarding, and the full client data export as a ZIP (roster, notes, check-ins, goals, habits, sessions and form responses) means you are not locked in either. Monthly plans cancel in one click.

What is our verdict?

For most business coaches, Coachful is the best choice because it covers what happens before, during and after every booking: intake, payment, credits, agreements, reminders, video links, notes and the client's between-session work, in one login and one branded client app, with a free white-glove build to get the booking funnel live. Acuity Scheduling is the strongest pure scheduler if you sell packages and keep delivery elsewhere. Calendly wins on familiarity for single sessions with corporate clients. Paperbell suits a solo coach who wants packages and contracts without programs. TimeTuna, Setmore and TidyCal are budget tools for coaches whose only need today is a booking link.

Business coaches in adjacent niches may also want our guide to scheduling software for executive coaches.

Frequently asked questions

What is the best scheduling software for business coaches?

For business coaches who sell packages or retainers and want to track client work between sessions, Coachful is our pick because booking, payments, agreements and programs share one login. If you only need a booking link for single sessions, Calendly or Acuity Scheduling are solid standalone choices. Budget-first coaches can start with TimeTuna, Setmore or TidyCal.

Can business coaching clients book against a package of sessions?

Yes, in several tools. Coachful supports session credits, Acuity Scheduling supports packages and memberships, Paperbell and TidyCal support packages. TimeTuna lists packages as "Coming soon" on its own comparison page.

Should a business coach charge for the first session?

Many business coaches offer a free discovery call and a separate paid strategy session, but there is no single rule. Decide based on how qualified your leads are and how much preparation the call needs. Whichever you choose, make sure your scheduler can take payment at booking for the paid version.

Do I need SMS reminders for founder and executive clients?

They help, because busy clients often miss email reminders. Coachful sends SMS 24 hours before and WhatsApp one hour before once messaging is enabled. Acuity's text reminders start on Standard, Setmore includes SMS credits on Pro, and TidyCal includes unlimited SMS on Pro.

Which tools create Zoom or Teams links automatically?

Coachful creates Zoom, Google Meet or Microsoft Teams links automatically, or uses its built-in video. TimeTuna includes automatic Meet, Teams and Zoom links on its free plan. Check each other vendor's integrations page for the exact options on your plan.

Is Coachful's white-glove build service really free?

Yes, the white-glove build service is free on every plan. You describe what you want, such as a booking funnel, a sales page or an email sequence, attach references, and the team builds it in your account, usually within about 24 hours. It does not include video recording, logo design, ad management or ongoing marketing.

Can I use Coachful with my existing Google or Outlook calendar?

Yes. Coachful syncs two ways with Google Calendar, Apple/iCloud and Outlook, so personal and client commitments block each other. Time-zone detection on booking pages shows clients slots in their own time.

Does any of these tools work for a business coaching firm with several coaches?

Coachful's Studio and Agency plans add coach seats with per-coach availability, staff permissions and round-robin or least-busy assignment. Calendly offers per-seat Teams plans, Acuity scales by number of calendars, and TimeTuna's Executive plan allows team sharing for up to six people.

Does Coachful accept PayPal?

No. Coachful takes payments through your own Stripe Connect or Razorpay account, including Apple Pay and Google Pay. If PayPal is essential for your clients, Calendly, Acuity Scheduling and Paperbell support it.

What should I check before switching scheduling tools?

Export each client's remaining session credits, payment history, signed agreements and notes before you cancel. Rebuild your session types and reminders in the new tool, and update every booking link on your website and email signature. Coachful imports clients, programs and content for you during onboarding.
