Calendly vs Setmore: Which Scheduler Fits Coaches in 2026?

Calendly vs Setmore comes down to one question for most coaches: do you mainly need clean booking links that drop into busy calendars, or a low-cost appointment book with payments and text reminders? Calendly is the stronger choice for coaches who book discovery calls and work alongside sales tools, and it scales into team routing. Setmore is the cheaper choice per user, includes payments and up to four users on its free plan, and adds SMS reminders and a HIPAA BAA on Pro. Neither runs the coaching itself: no programs, habits, check-ins, contracts or client records.
This guide compares both tools on the plans and features each vendor lists as of October 2026, then covers a third option for coaches who want booking inside a full coaching platform. We make Coachful, so we say plainly where it wins and where Calendly or Setmore is the better pick. For the deeper single-tool views, see our Calendly review and our breakdown of Setmore pricing.
Calendly vs Setmore: what is the short answer for coaches?
Pick Calendly if your booking flow feeds a sales process or a growing team; pick Setmore if you want the lowest cost per user and SMS reminders without paying for a higher tier. If you also deliver programs between sessions, a coaching platform with booking built in usually replaces both.
- Solo coach, a few discovery calls a week, no payments yet: either free plan works. Calendly Free gives you one event type and one calendar connection. Setmore Free gives you unlimited appointments and one email reminder, with no SMS.
- Solo coach charging for sessions: Setmore Free already lists online payments. Calendly needs Standard (listed at $10 per seat per month, billed annually) before you can take Stripe or PayPal payments.
- Coach whose clients forget sessions: Setmore Pro includes two reminders plus SMS, with 500 SMS credits per user per month. Calendly puts automations and reminders on Standard.
- Small team with shared discovery calls: Calendly Teams adds round-robin, routing and managed event types. Setmore Pro allows unlimited users at a lower per-user price but does not list routing.
- Health or wellness coach who handles sensitive information: Setmore Pro lists a HIPAA BAA. If you need a BAA from Calendly, confirm it with Calendly directly before you sign up.
- Coach who runs programs, check-ins and payments, not just calls: neither tool covers that. Coachful handles booking, payments, contracts and program delivery in one login.
How do Calendly and Setmore compare side by side?
On pure scheduling, they are close: Calendly is stronger on sales and team routing, Setmore on price per user and reminders. The table below ranks all three options by what matters most to coaches: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort.
Ranking criteria: one login for booking through delivery, between-session tools, total cost of the tools you would otherwise stack, and how much setup you do yourself (Coachful includes a free white-glove build).
| Rank and tool | What it is | Free plan | Entry paid plan | Client programs and check-ins | Trustpilot |
|---|---|---|---|---|---|
| Coachful (1) | Coaching platform: booking, payments, contracts, programs, courses, community, website, email | No permanent free plan; a free trial | Lite: $29/month for up to 5 clients | Yes: weekly goals, daily tasks, habits, morning and evening check-ins | 4.5 from 21 reviews |
| 2. Calendly | Scheduling tool with booking pages, workflows and paid bookings | Yes: 1 event type, 1 calendar connection | Standard, $10 per seat per month billed annually | No | 4.1 from 714 reviews |
| 3. Setmore | Appointment scheduling app with booking page, reminders and payments | Yes: up to 4 users, unlimited appointments | Pro, $5 per user per month billed annually ($12 shown as the other billing option) | No | 4.9 from 3,274 reviews |
Vendor plan details are as listed in October 2026; Trustpilot scores were seen on October 25, 2026. Calendly ranks second here because its team scheduling and routing go further for coaches who grow into a practice. Setmore is the better pure value, and many solo coaches will prefer it.
What do Calendly and Setmore cost in 2026?
Setmore is cheaper at every comparable level: Pro is listed at $5 per user per month billed annually, against $10 per seat for Calendly Standard and $16 per seat for Calendly Teams, also billed annually. Both have free plans, and both charge per person, so costs climb with every coach you add.

Calendly's pricing page in October 2026 shows Standard at $10 and Teams at $16 per seat per month, labelled with annual savings of 17% and 20%. The help center confirms these are annual-billing figures. Billed-monthly prices are not shown on the page. Teams has published volume tiers, dropping to $14.50 per seat for 31 to 50 seats and to $12 for 301 seats and up. Teams Plus, which adds Notetaker and the Callie assistant, costs $8 more per seat than Teams at each tier, so $24 per seat at the first tier. Enterprise starts at $15,000 a year with a 50-seat minimum.

Setmore's Pro card shows $12 and $5 per user. A footnote ties $5 to annual billing, so $12 is most likely the monthly-billed price, though the page does not label it. Setmore offers Pro "risk-free for 30 days" with a refund on request. A US-only Live Receptionist add-on is listed at $99 per month, and extra SMS credits are sold separately at a price not shown on the page.
| Tool | Free | Entry paid | Team tier | Top tier | Payment fees |
|---|---|---|---|---|---|
| Coachful | No permanent free plan; a free trial | Lite: $29/month for up to 5 clients | Pro: $99/month with unlimited clients | Studio and Agency add coach seats (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients) | 0% platform fee since August 2026; Stripe or Razorpay processing only |
| Calendly | 1 event type, 1 calendar connection, 1:1 scheduling | Standard: $10 per seat per month, annual | Teams: $16 per seat per month, annual (down to $12 at 301+ seats) | Teams Plus $24 per seat; Enterprise from $15,000 per year, 50 seats minimum | No Calendly fee documented; Stripe or PayPal rates |
| Setmore | Up to 4 users, unlimited appointments, 1 email reminder, no SMS | Pro: $5 per user per month annual, $12 the other option | Pro allows unlimited users at the same per-user price | Enterprise: custom, contact sales | No Setmore fee shown; Square, Stripe, PayPal or LawPay rates |
What does that look like for a real practice?
Here is simple arithmetic from the listed annual prices, as an example. A solo coach on Calendly Standard pays $10 a month, or $120 a year. The same coach on Setmore Pro pays $5 a month, or $60 a year. A practice with three coaches on Calendly Teams pays $48 a month; on Setmore Pro, $15 a month. Neither figure includes the other tools a coach still needs: a payment processor's fees, a contract tool, a course or program platform, an email tool and a website.
That stack cost is the honest comparison. A scheduler is one line in a budget that often has four to six lines. Our guide to Calendly pricing walks through which Calendly tier coaches actually end up on.
How do booking pages and event types compare?
Calendly limits the free plan to one event type, while Setmore's free plan lists unlimited appointments and a branded booking page for up to four users. On paid plans, both give you unlimited event types and a booking page you can share.

Calendly's booking page is the one many clients already recognize: a calendar, open times, and a short form. On Standard you get unlimited event types and up to six calendar connections, which matters if you keep a personal calendar, a work calendar and a calendar from a part-time role. The free plan's one event type is the main pinch for coaches: you cannot offer a free discovery call and a paid session from the same free account.

Setmore is built more like an appointment book for a small business. Its free plan lists a branded booking page, unlimited appointments, mobile and desktop apps, and Zapier. Pro removes Setmore branding, adds recurring appointments and video appointments, and adds deposits. Recurring appointments are useful for coaches who meet clients on the same weekday for twelve weeks.
Booking questions exist in both, but neither offers a full intake questionnaire that lives on a client record. If you screen clients before a first call, you will likely pair either tool with a form tool. The guide on automating client scheduling without Calendly shows what a connected booking-to-intake flow looks like.
Which tool handles reminders and no-shows better?
Setmore is ahead for text reminders: Pro includes two reminders plus SMS with 500 credits per user each month. Calendly puts automations and reminders on its Standard plan, and its pricing page does not frame SMS volume the same way.
For coaches, reminders matter more than almost any other scheduling feature. A missed session costs you an hour you could have sold. Setmore Free sends one email reminder and no SMS, so a coach with forgetful clients will likely move to Pro quickly. Calendly Free has no automations at all; you need Standard for reminder workflows.
Setmore Pro also lists review requests, which ask clients for a review after an appointment. That is more common in service businesses like salons and clinics than in coaching, but some coaches use it to collect testimonials. Always get consent before publishing any client feedback.
How do payments work in Calendly and Setmore?
Setmore lists online and in-person payments on its free plan, through Square, Stripe, PayPal or LawPay. Calendly takes Stripe and PayPal payments from Standard up. Neither documents its own fee on top of the processor's rates.
- Calendly: connect your own Stripe or PayPal account on Standard or above, and the client pays at booking. Payments live in your Stripe or PayPal account.
- Setmore: payments on Free, Tap to Pay for in-person sessions, and deposits on Pro. Square support suits coaches who also run in-person sessions or workshops.
What neither tool does is the rest of a coaching payment: packages that unlock a program, payment plans tied to a contract, or an invoice per transaction on the client record. Calendly does not offer contracts or invoicing, and Setmore's pricing page shows no contract or invoicing workflow. If your offer is a 12-week package rather than single sessions, you will be pairing either tool with a payment or invoicing tool. See our coaching payment software page for how that works in one system.
How do calendar sync, video and integrations compare?
Calendly connects up to six calendars on Standard and adds HubSpot and Mailchimp; Teams adds Salesforce meeting sync and Marketo or Pardot. Setmore adds two-way calendar sync, video appointments and an API on Pro, and Zapier on every plan.
The integration lists show who each tool is built for. Calendly's paid tiers lean into sales and marketing systems: HubSpot, Mailchimp, Salesforce, Marketo and Pardot, with Microsoft Dynamics and SSO at Enterprise. That suits an executive or business coach who sells to companies and tracks deals in a CRM.
Setmore's list leans into running appointments: payment processors, Zapier, apps, and two-way calendar sync on Pro. Note the free plan has no two-way sync, so a session booked elsewhere may not block your Setmore availability. For a coach with one calendar and simple sessions, Setmore Pro covers the basics.
Calendly also sells Notetaker and Callie, an email scheduling assistant, in its Plus tiers. If you want recorded-session summaries, that is a paid upgrade on Calendly; on Setmore, it is not listed.
Which is better for a team of coaches?
Calendly is the better team tool: Teams adds round-robin and team scheduling, lead qualification and routing, managed event types and team analytics. Setmore is cheaper per user and allows unlimited users on Pro, but it does not list routing.
For a coaching practice with three or more coaches taking discovery calls, routing matters. Calendly can send a prospect to a specific coach based on their answers, which Coachful does not do (Coachful has round-robin or least-busy assignment for multi-coach session types, but no routing forms that pick a host from form answers). Setmore suits a team where each coach keeps their own clients and calendar and you want the lowest seat cost.
Both charge per person. On Calendly Teams, ten coaches cost $160 a month billed annually; on Setmore Pro, $50. If you run a team, also read our page on coaching software for teams.
What about privacy, HIPAA and data export?
Setmore Pro lists a HIPAA BAA, which matters for coaches who work alongside clinicians or handle health information. Calendly's Enterprise plan adds security features like SSO, audit logs and a data deletion API. Calendly exports scheduled events to CSV; Setmore's data export is not documented on the pages we checked.
A BAA (business associate agreement) is the contract a US covered entity needs before sharing protected health information with a vendor. The US Department of Health and Human Services privacy rule overview explains who is covered. Most coaches are not covered entities, but if you work inside a clinic or alongside a licensed provider, ask them which tools they require.
Coaching is not treatment. If a client describes symptoms, a diagnosis, disordered eating, self-harm or a mental health crisis, refer them to a licensed professional. Coachful is not HIPAA-certified and offers no BAA, so clinical records belong in a clinical system, not in a coaching platform. On this point Setmore Pro has an advantage over Coachful.
What is the client experience like in each?
Clients see a booking page, a confirmation and reminders in both tools; after the session, the relationship lives elsewhere. Calendly's page feels familiar to corporate clients. Setmore's feels like booking a service appointment, with apps for the business side.
For a one-off call, that is fine. For a coaching engagement, clients need somewhere to find homework, track progress and message their coach. With either tool, that usually means email threads, a shared document, and a separate login for any course. Clients notice the hand-offs: one link to book, another to pay, a third to sign, a fourth for materials.
The question to ask is what your client does on day 3 of a 12-week program, not just day 1. If the answer is "open a different app", the scheduler is only part of your client experience.
Which should you pick for which kind of coach?
Match the tool to how you sell and deliver: Calendly for sales-led and team practices, Setmore for low-cost single-session booking with SMS, Coachful when booking is one step in a program you deliver.
| Coach type | Best fit | Why |
|---|---|---|
| Coachful fits: program-based life, health, fitness, mindset and career coaches | Coachful | Booking, payments, agreements, programs with habits and check-ins, and courses under one login and one branded client app |
| Executive or business coach selling to companies | Calendly | HubSpot and Salesforce sync, routing on Teams, a booking page corporate clients know |
| Solo coach on a tight budget charging per session | Setmore | Payments on the free plan, Pro at $5 per user per month annually, SMS reminders |
| Coach working inside a clinic that requires a BAA | Setmore Pro | HIPAA BAA listed on Pro |
| Practice of 5+ coaches sharing inbound leads | Calendly Teams | Round-robin, lead routing and managed event types |
| Coach who meets clients in person | Setmore | Tap to Pay and Square for in-person payments |

Is there a third option that beats both? Coachful, honestly
Yes, for coaches who deliver programs: Coachful includes booking with reminders, payments, agreements and program delivery in one membership, so you are not stacking a scheduler on top of four other tools. For booking alone, Calendly or Setmore can be enough.

What Coachful is. Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs, not just sessions; solo coaches growing into a small team; and coaches replacing four to six tools. The company is based in Tallinn, Estonia.
How does Coachful's booking compare with Calendly and Setmore?
Booking pages include availability rules, buffers, minimum notice and time-zone detection. Calendars sync two ways with Google, Apple/iCloud and Outlook. Sessions get built-in video or auto-created Zoom, Meet or Teams links. Clients get email reminders, plus an SMS reminder 24 hours before and a WhatsApp reminder one hour before once messaging is enabled. You can sell paid sessions and session credits, ask intake questions on booking, and assign multi-coach session types by round-robin or least-busy.

Here is a short walkthrough of scheduling in Coachful:
What happens after the booking?
This is where Coachful differs from both schedulers. Before the first call, the client signs a coaching agreement by e-signature, and it is stored on their record. Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, coupons, refunds, Apple Pay and Google Pay, with an invoice per transaction. Coachful has charged a 0% platform fee since August 2026; you pay only Stripe or Razorpay processing.

Between sessions, clients work through multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars, and streaks. Courses, downloads and videos sit in the same branded home. Each client record collects goals, check-ins, habits, notes, intake answers, payments and sessions, and flags clients as thriving, active, quiet or at risk.

Michelle, the built-in AI assistant, briefs you before sessions, summarizes recorded sessions and drafts emails from your live practice data. Questions and planning are included in the membership; confirmed builds and changes use AI credits. That covers some of what Calendly sells as Notetaker in its Plus tiers. More on the scheduling software page and the Coachful vs Calendly comparison.
When does Coachful beat both?
- You sell packages or programs, not single calls, and want the client to book, pay, sign and start in one place.
- You want clients to check in, track habits and see progress between sessions.
- You are paying for a scheduler plus a course tool, an email tool, a contract tool and a website, and want one bill.
- You track ICF hours: Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports a client coaching log.
When should you pick Calendly or Setmore over Coachful?
- Pick Calendly over Coachful if you need routing forms that choose a host from a prospect's answers, or Salesforce or HubSpot integration. Coachful has neither.
- Pick Setmore over Coachful if you need a HIPAA BAA, PayPal or Square payments, or you only need a no-cost booking page for up to four people. Coachful is not HIPAA-certified, has no PayPal and has no permanent free plan.
- Pick either over Coachful if you only ever run single sessions and already have a home for payments, notes and materials. A dedicated scheduler costs less than a full platform.
Coachful also does not sync with Garmin, Fitbit, Whoop or Oura, and the client app ships under the Coachful listing with your branding rather than under your own App Store account.

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build something inside your own account: a website, a funnel, a sales page, a program, a course outline, an email sequence, a booking flow or a form. From Create, choose "We'll build it for you", describe what you want, and attach up to 8 reference links and up to 10 files. The team usually delivers within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. A leadership coach with a Squarespace renewal days away, for example, got one clean homepage with a repeated "talk with me" button. It does not include recording videos, logo design or ad management. Read more about the free white-glove service.
How to start. Start a free trial, connect your calendar and Stripe account, and request a white-glove build of your booking flow or first program. Your clients, programs and content are imported for you during onboarding. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.
How do you switch from Calendly or Setmore without losing bookings?
Run both tools in parallel for two to four weeks: new bookings go to the new link, existing sessions stay where they are until they happen. Calendar sync prevents double-booking during the overlap.
- Export your scheduled events. Calendly exports to CSV; for Setmore, check its help center, since export is not documented on the pages we reviewed.
- Recreate your event types: discovery call, paid session, follow-up. Match durations, buffers and minimum notice.
- Connect the same calendars so availability carries over.
- Replace the booking link on your website, email signature and social profiles.
- Leave the old tool active until the last existing session has passed, then cancel.

Frequently asked questions
Is Setmore cheaper than Calendly?
Yes. As listed in October 2026, Setmore Pro costs $5 per user per month billed annually, and Calendly Standard costs $10 per seat per month billed annually. Setmore's free plan also includes payments and up to four users, which Calendly's free plan does not.
Does Calendly or Setmore have a better free plan for coaches?
Setmore's free plan is broader: unlimited appointments, up to four users and online payments, with one email reminder and no SMS. Calendly Free allows one event type and one calendar connection. If you need a free discovery call and a paid session, Setmore Free covers both and Calendly Free does not.
Which has SMS reminders?
Setmore Pro includes SMS reminders with 500 credits per user per month. Setmore Free has no SMS. Calendly puts reminders and automations on Standard and above.
Is Setmore or Calendly HIPAA compliant?
Setmore lists a HIPAA BAA on its Pro plan. Check Calendly's current plans and security documentation directly if you need a BAA. Coaching is not medical care, and coaches who handle clinical information should keep it in a system built for clinical records.
Can I take payments for coaching sessions with both?
Yes. Calendly accepts Stripe and PayPal from Standard up. Setmore accepts Square, Stripe, PayPal and LawPay, including on its free plan. Neither documents its own fee on payments; processor rates apply.
Which is better for a coaching team?
Calendly Teams, at $16 per seat per month billed annually, adds round-robin, lead routing and managed event types. Setmore Pro is cheaper per user with unlimited users, but does not list routing. Choose Calendly if leads need sorting between coaches.
Do Calendly or Setmore handle coaching programs?
No. Both are schedulers. Neither offers client programs, habits, check-ins, courses, a community or coaching agreements. Coachful includes booking alongside program delivery, agreements and payments in one membership.
What is Coachful's free white-glove service?
It is a build service included on every Coachful plan. You describe what you want, such as a website, funnel, program or booking flow, attach references, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design or ad management.
Can Coachful replace Calendly or Setmore?
For most coaches, yes: Coachful includes booking pages, two-way calendar sync, video links, reminders and paid sessions. It does not offer routing forms, Salesforce or HubSpot integration, PayPal or a HIPAA BAA, so coaches who rely on those should keep Calendly or Setmore.
Which should a new coach start with?
If you only need a booking link for discovery calls, start with either free plan. If you are launching a paid program, start where you will deliver it, so you do not migrate clients later. Our page for new coaches covers the first setup steps.
