7 Best Mindbody Alternatives (2026 Guide)

7 Best Mindbody Alternatives (2026 Guide)

The best Mindbody alternatives for an independent instructor or coach depend on one question: do you need software to run a building, or software to run a client relationship? Mindbody grew up serving studios, gyms and spas with class schedules, front desks and a consumer booking marketplace. If you teach private yoga, run small-group Pilates, coach strength clients online or sell a wellness program, most of that machinery sits idle while you still pay for it and still bolt on other tools for programs, video and messaging.

Our pick for most solo instructors and coaches is Coachful, because it puts booking, payments, agreements, multi-week programs, habits, check-ins, on-demand content and a community behind one login, with one branded app for your clients. We make Coachful, so weigh that, and read the other six sections: each one wins a specific situation, and for some readers one of them is the better fit.

Below you will find quick picks by scenario, the criteria we used, a section per tool, a feature matrix, three example stacks with their monthly cost, and answers to the questions instructors ask most when they leave studio software.

Which Mindbody alternative fits your situation?

Start with the situation you are in, then read that tool's section. Prices are as listed by each vendor in October 2026, billed monthly unless noted.

What do independent instructors and coaches actually need from software?

They need a way to get booked and paid, and a way to keep clients progressing between sessions. Studio systems are strong at the first half for a building full of rooms and staff. Independent instructors usually need less of that and much more of the second half.

Think about the real weekly workflow of a private Pilates instructor or an online strength coach. A new client finds you through Instagram or a referral, books an intro call, signs a liability waiver or coaching agreement, buys a pack of sessions or a monthly membership, and then spends six days a week away from you. Whether they come back depends on what happens in those six days: a home routine, a habit they track, a check-in you read, a short video lesson, a message from you when they go quiet.

That journey breaks down into six jobs:

  • Booking for private sessions, small groups and intro calls, with calendar sync and reminders.
  • Payments for drop-ins, class packs or session credits, subscriptions and payment plans.
  • Paperwork: a signed agreement or waiver and intake questions before the first session.
  • Delivery between sessions: programs, workouts, habits and check-ins.
  • Content: recorded classes, a course or a resource library.
  • Community and marketing: a group space, a website, funnels and email.

Mindbody-style tools cover booking and payments in depth. Most independent instructors who leave them end up paying for a scheduler, a video host, a community app, an email tool and a website builder on top. The tools below differ mostly in how many of those six jobs they cover.

Stay inside your scope

One caution matters for this audience. Movement instruction, wellness coaching and nutrition coaching are not medical treatment. If a client describes pain that does not settle, a recent injury, a heart condition, pregnancy complications, disordered eating or a mental health crisis, refer them to a physician, physiotherapist, registered dietitian or licensed therapist, and note the referral. Your scope of practice depends on your certification and where you work. If you need clinical records or insurance billing, you need a tool that offers a signed business associate agreement under HIPAA; Coachful is not HIPAA-certified and does not offer one.

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

How did we choose these 7 tools?

We ranked on four criteria that matter to a solo instructor or coach: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including whether someone will build it for you).

To keep it concrete, we pictured one example practice: a yoga and mobility instructor with 15 private clients, one six-week group program of 12 people, a small library of recorded classes and a free intro call on their website. For each tool we asked what it covers out of the box, what else you would need to buy, and what that combination costs as listed in October 2026. We did not test the tools hands-on; we relied on what each vendor documents on its pricing and help pages and what public reviewers report. Mindbody's own prices are not quoted here because we did not verify them today; ask Mindbody for a current quote before you compare.

Two of the seven, Practice Better and Paperbell, are direct substitutes for Coachful in that they are built for one practitioner managing clients. The others are specialists: a scheduler, a course platform, a community app and a booking link.

1. Coachful: the best Mindbody alternative overall

Wins when: you sell private sessions and packs, run group programs, want clients doing something between sessions, and are tired of paying for five tools that do not talk to each other.

A laptop on a yoga blanket showing a client's coaching hub with the next session and program tabs
Coachful's client coaching hub, with the next session and program tabs, on a laptop beside yoga props.

Coachful is a coaching platform where one subscription covers booking, payments, agreements, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. You work in one login. Your clients get one app carrying your branding, where they see their next session, their program, their habits and your content.

For an instructor coming from studio software, the booking side will feel familiar. You set up booking pages with availability rules, buffers between sessions, minimum notice and automatic time-zone detection. Calendars sync both ways with Google, Apple/iCloud and Outlook. Online sessions run on built-in video or get Zoom, Google Meet or Teams links created automatically. Clients get email reminders, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. You can charge for sessions or sell session credits, which is how you replace a class pack, and ask intake questions at booking. If you bring on a second instructor, multi-coach session types can assign bookings round-robin or to whoever is least busy.

Here is a short walkthrough of the scheduling setup:

Payments run through your own Stripe Connect or Razorpay account. You can sell one-time purchases, subscriptions (your monthly membership), payment plans, order bumps and coupons, issue refunds, and accept Apple Pay and Google Pay, with Stripe Tax available. Each transaction produces an invoice, and you can send manual invoices too. Since August 2026 Coachful charges a 0% platform fee; you pay only Stripe or Razorpay processing. A coaching agreement with e-signature goes out before the first session and is stored on the client record, so you are not chasing a waiver on the mat.

Where Coachful moves past studio software is the six days between sessions. You build multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Each client record collects goals, check-ins, habits, notes, intake answers, tags, payments and sessions, and labels the client as thriving, active, quiet or at risk, so you know who needs a nudge before they cancel. Group programs create a cohort group automatically on enrollment, and you can run group calls and webinars from the same place.

For trainers and movement coaches, the Fitness & Nutrition pack adds a workout builder with an illustrated exercise library (supersets, circuits, AMRAP, EMOM, intervals and tempo), client workout logging with set history and PRs, nutrition targets up to calories and macros, meal plans, recipes, food lookup and barcode scanning, private progress photos and measurements, weekly check-ins, private form-check video with timestamped coach comments, and challenges. There are no stock exercise videos; you attach your own demos, which for most instructors is the point anyway.

Coachful Growing Habits dashboard with habit tracker cards for meditation, exercise, journaling and reading
A demo client's habits in Coachful: morning meditation, exercise, journaling and reading, each with progress toward 30 days.

Your recorded classes live as courses (modules, lessons, drip release, completion tracking), videos, downloads or bundles, delivered into the client's branded home and app. A community feed, group chat, direct messages and video events replace the separate group app. The section-based website builder has 30 designed homepage templates, a blog, custom domain and SEO settings, and connects to booking, application, lead-magnet and checkout funnels with pixel and UTM tracking. Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits handle follow-up.

Michelle, the built-in AI assistant, works from your live practice data: it can draft a program or an email, brief you before a session and summarize a recorded session. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. If you hold or are working toward an ICF credential, Coachful also counts coaching hours and distinct clients against ACC, PCC and MCC thresholds.

Why Coachful stands out: a free white-glove service. On every plan, you can go to Create and choose "We'll build it for you · FREE", describe what you want, attach up to 8 reference links and up to 10 files such as your logo, photos and existing copy, and the Coachful team builds it inside your account, usually within about 24 hours. That can be your website, a booking or lead-magnet funnel, a program, a course outline and written material, an email sequence or a link-in-bio page. Nothing gets invented: no fake testimonials, credentials or prices; gaps are left for you to fill. One recent example: a menopause and midlife health coach starting from nothing received a five-page site in sage and cream where every button led to a free 20-minute consultation. During onboarding your clients, programs and content are also imported for you. Read more in how the free white-glove service works.

Coachful Create page with the We'll build it for you card
The Create page in Coachful, where the free white-glove build request starts.

Where it falls short. Coachful is built for coaches and instructors, not for running a multi-room studio with a front desk, retail stock and walk-in check-ins. It is not HIPAA-certified, has no PayPal, and has no permanent free plan. There is no Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not available publicly. The client app ships under the Coachful listing with your branding, not under your own App Store account.

Price: flat monthly plans, where lower plans cap the number of clients and Pro is unlimited; team plans add instructor seats (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click, and there is a free trial.

2. Acuity Scheduling: best for pack and membership booking

If the part of Mindbody you actually use is the booking calendar, with packages and memberships, Acuity Scheduling is the closest lightweight replacement. It is owned by Squarespace and focuses entirely on getting people onto your calendar and paid.

Acuity Scheduling homepage with its headline and sign-up button
Acuity Scheduling's homepage in October 2026.

What you get

Acuity documents appointment scheduling with intake forms, packages and memberships, so a client can buy a five-session pack or a monthly plan and book against it. You connect your own Stripe, Square, PayPal or Venmo account and pay their processing rates; Acuity lists no fee of its own on payments. Text reminders start on the Standard plan, and a HIPAA business associate agreement is available only on Premium, which matters if you work alongside clinicians.

As listed in October 2026: Starter costs $20/month ($16 billed annually) for one calendar, Standard $34/month ($27 annually) for up to six calendars, Premium $69/month ($55 annually) for up to 36 calendars, and Enterprise is custom. Every plan has a 7-day free trial with no card required. Acuity holds a Trustpilot rating of 3.6 from 687 reviews (seen October 25, 2026).

Where it stops

Acuity has no client portal for programs, habits, check-ins or messaging, and no courses, community, website builder or email marketing. That is fine if your clients only need to book you. For the example yoga instructor, though, Acuity would cover one of the six jobs listed earlier, and the recorded classes, group program space and follow-up email would each need another tool. See our comparison of scheduling tools for coaches for more options in this category.

Pick it over Coachful if you teach in person, sell packs and memberships, have no plans for programs or content between sessions, and want the smallest possible monthly bill for booking alone.

3. Kajabi: best for an on-demand class library

Instructors who want to turn recorded classes into a product, sold as courses or a membership with a community, often look at Kajabi. It combines courses, community, a website, funnels and email under one roof.

Kajabi homepage with its headline and trial call to action
Kajabi's homepage in October 2026.

Kajabi lists three plans in October 2026. Basic costs $179/month ($143 billed annually) with 5 products, 2,500 contacts, one community, one website, two admin users and no AI credits. Growth costs $249/month ($199 annually) with 50 products and 25,000 contacts. Pro costs $499/month ($399 annually) with unlimited products and 100,000 contacts. The standard trial is 14 days; a card is optional, and if you enter one Kajabi places an authorization hold and charges when the trial ends.

Watch the payment fees. With Kajabi Payments in the US, processing is 2.9% + $0.30 on Basic, 2.8% + $0.30 on Growth and 2.7% + $0.30 on Pro. If you use another provider (other than PayPal), Kajabi adds its own fee of 2% on Basic, 1% on Growth or 0.5% on Pro on top of that provider's charges. Kajabi holds a Trustpilot rating of 3.4 from 2,347 reviews (seen October 25, 2026).

The gap for instructors is individual delivery. Kajabi has no habit tracking or daily client check-ins, and coaching is organized as products and communities rather than per-client plans. Basic's limit of five products also fills quickly if you sell a class library, a beginners' course, a membership and a workshop. Our Kajabi alternatives guide goes deeper on this trade-off.

Pick it over Coachful if your business is mostly selling recorded content to a large audience, individual client follow-up is a small part of your week, and you want Kajabi's marketing ecosystem.

4. Practice Better: best for nutrition and wellness practitioners

For wellness practitioners whose work looks clinical (charting sessions, telehealth, protocols), Practice Better is the strongest fit on this list. It describes itself as practice management for wellness and nutrition practitioners.

Practice Better homepage aimed at wellness and nutrition practitioners
Practice Better's homepage in October 2026.

Practice Better covers scheduling, telehealth, charting, billing, programs and a client portal. Payments run through Practice Better Payments, powered by Stripe; the rates are not listed on the pricing page.

Plans as listed in October 2026:

  • Sprout: free for 3 clients, one practitioner and 100 MB of storage.
  • Starter: $35/month ($25 billed annually) for 10 clients.
  • Professional: $69/month ($59 annually) for 300 clients.
  • Plus: $99/month ($89 annually) for unlimited clients and three admins.
  • Team: $155/month ($145 annually) for two practitioners, with more at $50 each.

Trials run 30 days on Team and 14 days on other paid plans. Practice Better holds a Trustpilot rating of 3.8 from 87 reviews (seen October 25, 2026).

Limits worth knowing: evergreen programs, portal branding, a custom URL and SMS start on Plus, so a practitioner who wants a branded experience pays $99/month. There is no website builder or funnel pages, so marketing still lives elsewhere, and each account below Team holds one practitioner. Movement instructors will find fewer fitness-specific tools than in a training app. Compare options in our Practice Better alternatives roundup.

Pick it over Coachful if you are a nutrition or wellness professional who needs charting and telehealth in a practice-management shape, and you already have a website you are happy with.

Which one looks like you?

5. Paperbell: best flat-priced admin for packages

Paperbell suits the solo practitioner who wants one price, unlimited clients and a short setup, and whose clients mostly need to book, sign and pay.

Paperbell homepage with its headline for coaches
Paperbell's homepage in October 2026.

Paperbell bundles booking, packages, payments, contracts, a client portal and a simple website. It has a single plan: $97/month ($80.83/month billed annually) with unlimited clients, sessions, files, packages and traffic, as listed in October 2026. The pricing page says there are no additional transaction fees; Stripe or PayPal processing applies. There is a 30-day money-back guarantee, and the help center (July 2026) describes a 7-day trial with the public site offline and client messages and SMS turned off. Paperbell holds a Trustpilot rating of 3.5 from 14 reviews (seen October 25, 2026).

What it leaves out is everything after the booking: no courses, no community, no goal or habit tracking, and no native mobile app (clients use the mobile browser). For a private Pilates instructor who sells ten-session packs, that might be enough. For a coach running a group program with daily habits, the program side would need another tool, which pushes the stack past one flat price. More detail in our Paperbell alternatives article.

Pick it over Coachful if your offer is purely sessions and packages, you want unlimited clients on one fixed price, and you have no plans for programs, recorded content or a community.

6. Skool: best budget paid community with a classroom

Got a following and want a paid group where members watch classes, join live calls and climb a leaderboard? Skool is the cheapest way in.

Skool homepage with community discovery and sign-up
Skool's homepage in October 2026.

Skool combines a community, a classroom and a calendar inside one group, with gamified leaderboards. There are two plans as listed in October 2026. Hobby costs $9/month ($7.50 billed annually) and takes 10% + 30¢ on every transaction. Pro costs $99/month ($82.50 annually) and charges 2.9% + 30¢ on transactions up to $899 and 3.9% + 30¢ above $900. Payments run only through Skool Payments, fees are non-refundable, and payouts arrive weekly. Trial length is not stated on the pricing page. Skool holds a Trustpilot rating of 1.6 from 54 reviews (seen October 25, 2026).

On Hobby, the percentage fee is the real price. Using purely illustrative numbers, an instructor selling a $30/month membership to 40 members would pay Skool about $132 a month in transaction fees on top of the $9 plan, which is when Pro starts to make sense.

Skool has no custom-domain website, funnels, email automation or public API, and no 1:1 client records, intake forms, habits or check-ins. It replaces your group app, not your booking or client management. Our Skool alternatives piece covers community-first options.

Pick it over Coachful if your business is a paid community first, you do little 1:1 work, and you want the lowest fixed monthly cost while accepting per-sale fees.

7. Calendly: best free booking link

Some instructors leaving Mindbody simply need people to book an intro call or a private session. For that one job, Calendly's free plan may be all you need.

Calendly homepage with its scheduling headline and sign-up form
Calendly's homepage in October 2026.

Calendly's Free plan includes one event type, one calendar connection and 1:1 scheduling. Standard is listed at $10 per seat per month billed annually, with up to six calendar connections and unlimited event types; the monthly-billing price was not shown on the pricing page in October 2026. Teams is $16 per seat per month billed annually. Calendly lists no fee of its own on payments: you connect your own Stripe or PayPal account and pay their rates. Calendly holds a Trustpilot rating of 4.1 from 714 reviews (seen October 25, 2026).

It is a scheduling tool and nothing more: no client records, notes, programs, habits or check-ins, no intake questionnaires beyond booking questions, and no contracts or invoicing. Pricing is per seat, so each instructor on a team pays separately. Calendly also does not document class packs or memberships the way Acuity does, so it fits intro calls and simple paid sessions better than a pack-based business.

Pick it over Coachful if you only need a booking link right now, have a separate way to handle payments and delivery, and want to spend nothing until your client base grows.

How do the features compare side by side?

Coachful is the only tool here that covers all nine jobs below. "Partial" means the feature exists in a limited form, only on higher plans, or is not documented as a full feature by the vendor.

What do three typical stacks cost per month?

A specialist tool looks cheaper until you add the others it needs. Here are three common stacks for the example practice (15 private clients, one group program, a recorded class library), compared with running it all in Coachful. Prices are as listed in October 2026, billed monthly, before card processing.

The totals tell only half the story. Each extra tool means another login for you, another place your client has to look, and another set of data that does not reach the client record. If you grow from 15 to 40 clients, check the client caps in each plan: Practice Better's Professional plan covers 300 clients, Paperbell's single plan has no cap, and Coachful's cheapest plan for 40 clients is Pro: $99/month with unlimited clients.

How would you set this up in Coachful, step by step?

Setup takes a few focused sessions, or you can hand most of it to the free white-glove team. Here is how the example yoga and mobility instructor would move over, and what their clients would see at each step.

A laptop on a studio side table showing a client goal page with daily tasks and habits
A demo client goal in Coachful, with linked daily tasks and habits, on a laptop beside a kettlebell.
  1. Request the build. From Create, ask the team to build a homepage with a free intro call funnel and a six-week mobility program outline, attaching your logo, class photos and current website copy. You review what lands in your account and fill any gaps they left.
  2. Connect payments and calendar. Link your Stripe account and sync Google, Apple or Outlook calendar. Clients see accurate availability in their own time zone.
  3. Create your offers. Set up a single private session, a session-credit pack that replaces your class pack, a monthly membership as a subscription, and the six-week program with a payment plan. Clients check out with card, Apple Pay or Google Pay and receive an invoice.
  4. Add your agreement and intake. Upload your coaching agreement or waiver for e-signature and add intake questions (goals, experience, anything a doctor has advised). Clients sign before the first session, and you read their answers on the client record.
  5. Build the program. Break the six weeks into weekly goals and daily tasks, add a short daily mobility habit and a morning check-in, and attach your own demo videos. If you coach strength, use the workout builder from the Fitness & Nutrition pack. Clients open the app each morning, tick off the habit and see their streak grow.
  6. Load your class library. Upload recorded classes as a course with drip release or as a video library. Members watch inside the same app where they book you.
  7. Open the community. Enrolling in the program creates the cohort group automatically. Clients meet each other, ask questions and join live group calls.
  8. Set up follow-up. Turn on SMS and WhatsApp reminders, and write an email sequence for intro-call leads who have not booked. Each week, check which clients are marked quiet or at risk and message them first.
  9. Bring existing clients over. During onboarding your clients, programs and content are imported for you, so returning clients receive one invitation instead of re-entering everything.

What mistakes should you avoid when leaving Mindbody?

The biggest mistake is replacing one tool with five. Here are the others we see most often.

  • Buying studio features you will not use. Room scheduling, retail stock and staff payroll matter in a building. If you teach privately or online, pay for client delivery instead.
  • Forgetting active packs and memberships. Export a list of clients with remaining credits and renewal dates before you switch, and honor them in the new system so nobody loses sessions.
  • Ignoring per-sale fees. A low monthly price with a 10% transaction fee can cost more than a higher flat plan once you sell to a few dozen members.
  • Skipping the agreement. Make sure the new tool collects a signed agreement or waiver before the first session. Our coaching contracts page explains what to include; check local requirements with an attorney.
  • Treating software as a substitute for referral. Habit tracking and check-ins help clients follow through; they do not replace medical care. Keep your referral list current.
  • Migrating everything yourself on a weekend. Ask for imports and builds where they are offered so you keep teaching while the new setup comes together.

Which Mindbody alternative should you choose?

For most independent instructors and coaches, Coachful is the best Mindbody alternative, because it covers booking, packs, memberships and agreements and then keeps clients progressing between sessions with programs, habits, check-ins, classes and community, all in one branded app.

The specialists earn their place in narrower cases. Acuity Scheduling is the leanest choice if you only need pack and membership booking. Kajabi suits instructors whose business is mainly selling recorded content. Practice Better fits nutrition and wellness practitioners who chart sessions. Paperbell works for a flat-priced, sessions-only practice. Skool is the cheapest paid community, and Calendly's free plan covers a single booking link. If you run a multi-room studio with a front desk, stay with studio management software built for that.

In short: Coachful is a coaching platform for coaches and instructors who deliver programs, not just sessions, including solo practitioners growing into a small team and anyone replacing four to six tools. It handles booking, payments, agreements, programs, habits, check-ins, courses, community, website, funnels and email. It does not offer HIPAA compliance, PayPal, wearable sync or a permanent free plan. To start, take the free trial and request the free white-glove build from Create. See Coachful for fitness coaches and Coachful for health coaches for niche setups.

Frequently asked questions about Mindbody alternatives

What is the best Mindbody alternative for a personal trainer?

For a trainer who coaches clients in person or online, Coachful is our pick because the Fitness & Nutrition pack adds a workout builder, workout logging with PRs, nutrition targets, progress photos and form-check video to booking and payments. If you only need a booking calendar with packs, Acuity Scheduling is a lighter option. Our Trainerize alternatives guide covers training-first apps too.

Can I sell class packs and memberships without Mindbody?

Yes. In Coachful you sell session credits for packs and subscriptions for memberships through your own Stripe account. Acuity Scheduling documents packages and memberships, and Paperbell sells packages. Check how each tool handles expiring credits before you move existing clients.

Is there a free Mindbody alternative?

Calendly's Free plan covers one event type, and Practice Better's Sprout plan is free for three clients. Both are narrow. Coachful has no permanent free plan, but it offers a free trial and a free white-glove build service.

What is Coachful's free white-glove service?

From Create, you describe what you want built, such as a website, funnel, program, course outline or email sequence, and attach up to 8 links and 10 files. The Coachful team builds it inside your account, usually within about 24 hours, without inventing testimonials, credentials or prices. It is free on every plan and does not include recording videos, logo design or ad management.

Can these tools handle group classes?

Coachful runs group calls, webinars and group programs with automatic cohort groups. Acuity Scheduling focuses on appointments, packages and memberships. Skool and Kajabi run live calls inside a community. If you need in-person room scheduling across several rooms, studio software is still the better fit.

Are Mindbody alternatives HIPAA compliant?

Most coaching tools are not. Coachful is not HIPAA-certified and does not sign a business associate agreement. Acuity Scheduling offers a BAA only on its Premium plan. If you keep clinical records or bill insurance, choose a tool built and contracted for that, and confirm with the vendor directly.

Do clients get a mobile app?

In Coachful, clients use the Coachful app with your branding, where they book, follow programs and watch content. Paperbell has no native app and uses the mobile browser. Practice Better gives clients a portal; check Kajabi's and Skool's current documentation for app and branding options.

How do I move my clients off Mindbody?

Export your client list, active packs and membership renewal dates first, then recreate your offers in the new tool and invite clients with their remaining credits honored. In Coachful, clients, programs and content are imported for you during onboarding. Tell clients the switch date in advance so bookings do not fall through.

Can I sync Garmin or Apple Health with these tools?

Coachful does not sync with Garmin, Fitbit, Whoop or Oura, and Apple Health sync is not available publicly. Clients log workouts, measurements and check-ins directly in the app instead. If wearable data is central to your coaching, check each vendor's current integration list before you choose.
