Top 7 Paperbell Alternatives With a Client App, Ranked

Top 7 Paperbell Alternatives With a Client App, Ranked

If you are looking for Paperbell alternatives with a client app, the deciding question is simple: what do your clients open on their phone between sessions, and does it do anything once they get there? Paperbell handles booking, packages, payments and contracts well for one coach at one price, but its older profile documents no native mobile app; clients use the client portal in a mobile browser. If your coaching depends on daily check-ins, habits, program weeks or a group feed, that browser tab is where engagement goes quiet.

Our pick is Coachful, because it puts the whole client journey (booking, paying, signing the agreement, the program, habits, check-ins, courses and the community) inside one branded app, with one login for you. We make Coachful, so weigh that, and use the checklist below to test the ranking against your own practice. Six other tools follow, each with a real price as listed in October 2026 and a clear reason to pick it instead.

What does Paperbell give clients on a phone today?

Paperbell gives clients a client portal reached through a browser, not an installed app. Its pricing page lists a client portal, scheduling, payments and packages, contracts, email workflows, forms, group coaching, notes, digital downloads, online classes and custom branding, all on one plan at $97 a month or $970 a year, as listed in October 2026. Its older profile notes no native mobile app (mobile browser only) and no goal or habit tracking, courses or community feed.

That is a fair setup for session-based coaching: the client books, pays, signs, shows up, and maybe downloads a worksheet. It stops being enough when you sell a 12-week program and want clients to tick off a daily task, log a habit, answer an evening check-in or reply to a cohort post from their phone. Our walkthrough of the Paperbell client portal shows exactly what clients see, and Paperbell pricing explained covers the single plan in detail.

A "client app" also means different things across vendors, and this is where most comparisons blur. We sort them into three levels:

  • Branded app experience inside the vendor's app. Clients install one app and see your branding, programs and content. This is how Coachful works: the client app carries your branding inside the Coachful app, not under your own App Store account.
  • The vendor's own app. Clients install the vendor's app and find your space inside it, usually with the vendor's name on the icon.
  • Your own App Store listing. A custom branded app published under your name. Vendors sell this as a premium tier or custom quote.

Any of the three can work. What matters more is what the app does once open, which is what the checklist tests.

Which five questions should you answer before switching?

Answer these five about your practice first; each answer points to a different tool. Write your answers down, then use the table in the next section.

  1. What should a client do in the app between sessions? Only book and pay (A), complete worksheets and reflections (B), or follow a program with daily tasks, habits and check-ins (C)?
  2. Do your clients need each other? No, it is all one-to-one (A), sometimes, for a cohort or group program (B), or the community is the product (C)?
  3. How many active clients will you have in 12 months? Under 10 (A), 10 to 40 (B), more than 40 or an open-ended membership (C)?
  4. Who handles payments, booking and contracts? The same tool as the app (A), or are you happy to keep a separate scheduler and checkout (B)?
  5. Does the app need your name on the App Store icon? Your branding inside a shared app is fine (A), or you need your own listing and will pay for it (B)?

Be honest about question 1. It is easy to say you want an app when what you actually want is for clients to do something between calls. An app with nothing to do in it gets opened twice and forgotten.

How we chose: we started from tools coaches actually move to from Paperbell, kept those that give clients either an installed app or a documented app tier, and ranked them by the criteria above. Vendor facts come from each vendor's pricing page as listed in October 2026 (Kajabi, Circle and Mighty Networks checked on October 27, 2026) and from older vendor profiles where marked. We did not test these tools hands-on; we report what vendors document and what public reviewers say. For the wider field, including tools without an app, see our main Paperbell alternatives ranking.

1. Coachful: why is it the best Paperbell alternative with a client app?

Coachful is the best fit because the client app is where the coaching happens, not just where invoices live. A client books, pays, signs the agreement, joins the program, logs habits, answers check-ins, watches course lessons and talks to the group, all in one app with your branding, while you work from one login.

What your client actually does in the app

Picture the client's week. Monday morning the app shows this week's goal and today's tasks from your multi-week program. A morning check-in asks how they slept and what matters today; an evening check-in asks what got done. Habits like journaling or a daily walk build streaks, and goals show progress bars. Before your call, a required worksheet sits on their coaching hub next to the session time and video link.

Courses (modules, lessons, drip, completion tracking), downloads, videos, books, AI tools and events are delivered into the same branded home. If you run a group program, enrolling a client automatically creates or adds them to the cohort group, with a community feed, group chat, direct messages and video events. Nothing in that list needs a second login, which is the specific thing Paperbell clients currently lack. More on the client experience lives on our coaching client app page.

Here is a short walkthrough of how check-ins are built and what clients answer:

What you see on the coach side

Every client record pulls goals, check-ins, habits, notes, intake answers, tags, payments and sessions together, with a status of thriving, active, quiet or at risk. That status is the reason an app matters: when a client goes quiet in the app, you see it before they cancel. Michelle, the built-in AI assistant, briefs you before each session from that live data, drafts emails, summarizes recorded sessions and can build a program from your outline (questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits). You can also configure an AI Coach, an AI version of you that selected clients can chat with between sessions.

The admin you rely on in Paperbell is all here too. Booking pages handle availability rules, buffers, minimum notice and time zones, with two-way Google, Apple/iCloud and Outlook sync and built-in video or auto-created Zoom, Meet or Teams links. Reminders go by email, plus SMS 24 hours and WhatsApp one hour before once messaging is enabled. Payments run through your own Stripe Connect or Razorpay account (one-time, subscriptions, payment plans, coupons, Apple Pay and Google Pay) with a 0% Coachful platform fee since August 2026, so you pay only Stripe or Razorpay processing. Coaching agreements are e-signed before the first call and stored on the client record. You also get a website with funnels, email sequences and ICF hour tracking.

Where Coachful is the wrong choice

Be clear on the limits. The client app ships under the Coachful listing with your branding; it is not your own App Store account. There is no PayPal, so PayPal-only clients need a card or wallet. Coachful is not HIPAA-certified and offers no BAA, so it is not for clinical record-keeping or insurance billing. There is no Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not available publicly. There is no permanent free plan.

Pricing shape

Plans are flat monthly; lower plans cap the number of clients, Pro is unlimited, team plans add coach seats, and monthly plans cancel in one click. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. There is a free trial, and the build service below is free on every plan. Our Coachful vs Paperbell comparison goes feature by feature.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you · FREE", describe what you need (a program with weekly tasks and check-ins, a course outline, a website, a funnel, an email sequence or a form), attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your own account, usually within about 24 hours. For a coach leaving Paperbell, that means your existing package can become a real in-app program without you building it screen by screen. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. One recent build: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Read more about the free white-glove service.

Pick it over the others if your clients should do something every day between calls and you want booking, payments, contracts and the app under one login.

2. Quenza: is it the best app for worksheets and reflections?

Quenza is a strong second when your answer to question 1 was "worksheets and reflections". It is a client-engagement tool for coaches and therapists built around activities, worksheets, programs and chat, delivered through a client app. Clients receive an exercise, complete it on their phone, and you see the responses.

Quenza's homepage in October 2026.

Quenza in a Paperbell coach's week

Say you run a six-session confidence program. In Quenza you would build a reflection after each call, a values exercise in week two and a short check-in activity between sessions, then send each to the client's app. That is exactly the between-session layer Paperbell does not document. The catch is that Quenza does not cover the business side. Its pricing page marks invoicing and digital products as "Planned/Soon", so there is no client payment processing today, and its older profile notes no scheduling or video calls. In practice, you would likely keep Paperbell or another scheduler for booking and payments and add Quenza for the app, which is two subscriptions and two logins for clients.

Listed prices

As listed in October 2026: Spark $25/mo ($20/mo annual) for 10 clients, Growth $50/mo ($40/mo annual) for 250 clients, Impact $125/mo ($100/mo annual) for 400 clients, and Collective $160/mo ($128/mo annual) for up to 3 professionals and 500 clients. There is a 30-day free trial with no card. On Trustpilot, Quenza shows 4.3 from 8 reviews (seen October 25, 2026), a small base.

Limits to plan around

  • No payments or invoicing yet, so you need a second tool to get paid.
  • No scheduling or video calls in the older profile.
  • Spark caps you at 10 clients, so a growing practice moves to Growth quickly.

Our Quenza alternatives guide covers tools that fill those gaps.

Pick it over Coachful if you are happy to keep Paperbell for booking and payments and only want a dedicated worksheet and reflection app on top, at a low monthly price.

3. Circle: does a community app beat a coaching app?

Circle wins when the community is the product. Its pricing page lists iOS, Android and desktop apps on the Professional plan, with unlimited members, community, courses, live events, a website, member profiles and payments. If question 2 got a C, Circle deserves a look.

How a coach would use it

A coach running a paid membership or a large cohort can put discussion spaces, a course library and live events in one app that members already know how to use. For one-to-one coaching, though, Circle's pricing page does not list session booking, coaching agreements, habits or daily check-ins. You would still need a scheduler and a contract tool, which is the stack Paperbell coaches are usually trying to shrink. The custom branded mobile app, with your own screens and branded push notifications, sits on Circle Plus at custom pricing.

The numbers as listed

Circle's pricing page, checked October 27, 2026, shows prices based on annual billing: Professional $89/mo, Business $199/mo, Scale $419/mo, and Circle Plus by quote. Transaction fees are 2% on Professional, 1% on Business and Scale, and 0.5% on Circle Plus. There is a free 14-day trial with no card required. Add-ons include extra admins at $10/mo each and extra spaces at $20/mo per 10.

Watch-outs

  • A 2% transaction fee on Professional means a coach collecting $5,000 a month pays $100 on top of processing (an example calculation, not a quote).
  • No coaching-specific session or program tooling listed on the pricing page.
  • Your own App Store listing requires the custom-priced tier.

Pick it over Coachful if you run a large paid membership where member-to-member discussion is the main value and one-to-one sessions are rare or handled elsewhere.

4. Delenta: is the Premium plan worth it for the app?

Delenta has a mobile app, but only on its Premium plan. That one fact decides whether it is a sensible switch from Paperbell. Delenta is a coaching practice platform with a CRM, scheduling, contracts, client portals and group coaching; its course creator and mobile app both sit on Premium.

Delenta homepage presenting its coaching practice platform
Delenta's homepage in October 2026.

Reading Delenta's tiers for app access

As listed in October 2026: Starter $29/mo ($19.08/mo annual) with 10 client portals, Pro $49/mo ($39.08/mo annual) with 40 client portals and up to 6 calendars, and Premium $79/mo ($58.25/mo annual) with unlimited client portals and 100 GB. Teams is a per-seat licence with no amount shown, and Enterprise is custom. Delenta states "no additional transaction fees"; Stripe and PayPal processor fees apply. So a Paperbell coach who wants the app is really comparing $97 at Paperbell with $79 at Delenta Premium, not $29.

Delenta pricing page with Starter, Pro and Premium plans
Delenta's pricing page in October 2026.

The page conflicts on the trial: the headline says a 14-day free trial while the FAQ says unlimited access "for 7 days". No card is required either way. Trustpilot shows 4.1 from 5 reviews (seen October 25, 2026), too few to read much into.

Where Delenta stops

  • App and courses only on Premium; lower tiers are browser portals.
  • Client-portal caps of 10 on Starter and 40 on Pro.
  • Multi-coach features need the custom-priced Teams plan.

For more options in this lane, see our Delenta alternatives ranking.

Pick it over Coachful if you need PayPal alongside Stripe and want a Paperbell-style practice tool with an app, and you are fine paying for Premium.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

5. Practice Better: is a branded client portal enough?

Practice Better suits wellness and nutrition practitioners who need charting and telehealth more than a coaching app. It is practice management with scheduling, telehealth, charting, billing, programs and a client portal. The details that matter here, portal branding, a custom URL and SMS, start on the Plus plan.

Practice Better homepage presenting its practice management platform for wellness practitioners
Practice Better's homepage in October 2026.

The client side of Practice Better

Clients get a portal for booking, programs and billing, while you keep charting and telehealth in the same system. For a nutrition or wellness practitioner, that clinical-style structure is useful. Evergreen programs start on Plus too, so a coach selling self-paced programs needs Plus at minimum. Our sources describe the portal rather than a native app, so check the vendor's current app listing before you commit if an installed app is a must. Practice Better has no contracts, which Paperbell coaches who send agreements before the first call will notice, and its older profile notes no website builder or funnel pages. Our Paperbell vs Practice Better comparison covers the trade-offs in depth.

A note on scope: if you are a health or nutrition coach, coaching is not medical treatment. Refer clients to a doctor or licensed clinician for diagnosis, medication questions or symptoms that worry you. Coachful is not HIPAA-certified, so if you need clinical records or a BAA, a clinical system like Practice Better is the right home for that part of your work.

What it costs as listed

As listed in October 2026: Sprout $0/mo (3 clients, 1 practitioner, 100 MB), Starter $35/mo ($25/mo annual) for 10 clients, Professional $69/mo ($59/mo annual) for 300 clients, Plus $99/mo ($89/mo annual) for unlimited clients and 3 admins, and Team $155/mo ($145/mo annual) for 2 practitioners, with more at $50 each. Trials run 30 days on Team and 14 days on other paid plans. Trustpilot shows 3.8 from 87 reviews (seen October 25, 2026). Payments run through Practice Better Payments, powered by Stripe; rates are not listed.

Gaps for coaches

  • No contracts or e-signature.
  • Branded portal and evergreen programs only from $99/mo.
  • One practitioner per account below Team.

Pick it over Coachful if you need clinical charting, telehealth and a provider-grade record system, and coaching is part of a wider wellness practice.

6. Kajabi: when does a course platform's app make sense?

Kajabi makes sense when your business is mostly courses and digital products, with coaching on the side. Its pricing page lists the Kajabi Customer App among its features, and a branded mobile app included on Pro.

App tiers and what they buy you

Checked October 27, 2026, Kajabi lists Basic at $179/mo ($143/mo billed annually) with 5 products, 2,500 contacts, 1 website, 1 community and 2 admin users; Growth at $249/mo ($199/mo annually) with 50 products and 25,000 contacts; and Pro at $499/mo ($399/mo annually) with unlimited products. The branded mobile app is included on Pro, which Kajabi values at $199/mo. Kajabi Payments card fees for US entities are 2.9% + $0.30 on Basic, 2.8% + $0.30 on Growth and 2.7% + $0.30 on Pro. The page states "no revenue sharing". Contacts beyond your plan come in blocks of 25,000 for $125 a month.

How it compares with Paperbell for coaching

For a coach with a signature course and a few one-to-one clients, Kajabi's app gives clients a polished place to watch lessons and join a community. For one-to-one work, the step up from Paperbell's $97 is steep: the cheapest Kajabi plan is $179/mo, and your own branded app costs $499/mo. Coaches who mainly need sessions, contracts and daily accountability pay for a lot of marketing machinery they will not use. Our Kajabi alternatives for life coaches covers coaching-first options.

Limits

  • Highest entry price in this list.
  • Product and contact caps on Basic and Growth.
  • Your branded app only on the top public tier.

Pick it over Coachful if courses and digital products are most of your revenue, you need large email lists, and you want your own branded app listing with a published price.

7. Mighty Networks: is a custom branded app worth a custom quote?

Mighty Networks is worth it only if you want your own branded app and will pay a custom price for it. The public plans focus on community, courses and automations; custom branded apps sit on Mighty Pro, quoted on request.

What the public plans include

Checked October 27, 2026: Launch $79/mo (or $950/year) with an AI cohost, community, courses and basic automations; Scale $179/mo adding more automations, APIs and third-party integrations; and Growth $354/mo adding growth expert sessions, priority support and migration services. Every free trial runs on the Growth plan. Mighty Pro, with custom branded apps and full community services, is custom pricing.

Fit for coaches leaving Paperbell

Mighty Networks is built for memberships and communities. The pricing page we checked does not list session booking, coaching agreements or habit tracking, so a coach with one-to-one clients would still run a scheduler and contracts elsewhere, and might keep Paperbell for exactly that. The revenue figures on the pricing page are Mighty's own averages and examples, not something to plan around.

Downsides

  • Your own app requires a custom quote.
  • No one-to-one coaching admin listed.
  • Integrations and APIs start at $179/mo.

Pick it over Coachful if you are building a large community business and an app under your own name is worth a custom contract.

What does each option cost at 5, 15 and 40 clients?

Costs below are monthly list prices for the cheapest plan that gives clients the app or app-like access discussed above, as listed in October 2026. Processing fees are extra everywhere.

Tool5 clients15 clients40 clientsNotes
CoachfulLite: $29/month for up to 5 clientsSolo: $49/month for up to 20 clientsPro: $99/month with unlimited clientsBooking, payments, contracts, app, courses and community included; 0% platform fee
Paperbell (no app)$97$97$97Browser portal only; $970/year option
Quenza$25$50$50No payments or scheduling; add a second tool
Circle$89$89$89Annual-billing price; 2% transaction fee
Delenta$79$79$79App needs Premium; $58.25 billed annually
Practice Better$35$69$69Branded portal needs Plus at $99
Kajabi$179$179$179Customer App; your branded app needs Pro at $499
Mighty Networks$79$79$79Branded apps by custom quote

Two patterns stand out. Quenza looks cheapest, but it cannot take payments, so the real cost is Quenza plus whatever you keep for booking and checkout (for example, Quenza Growth at $50 plus Paperbell at $97 is $147 a month for 15 clients). And the community platforms charge the same at 5 or 40 clients but leave one-to-one admin to another tool. If you would otherwise pay for a scheduler, a contract tool, a course host and a group chat, add those up before comparing.

How would you set up a client app in Coachful after Paperbell?

Here is the order we would follow, using a typical Paperbell package (say, "12 sessions over 3 months") as the example.

A client's session notes view on a laptop and an enrolled program on a phone
Coachful's client view of session notes on a laptop and an enrolled group program on a phone, both with demo data.
  1. Request the import and the build. Clients, programs and content are imported for you during onboarding. In the same request, ask the free white-glove team to turn your package description into a 12-week program with weekly goals, daily tasks and check-ins. Attach your current worksheets as files.
  2. Connect Stripe and calendars. Link your Stripe Connect account and Google, Apple/iCloud or Outlook calendar, then rebuild your Paperbell package as an offer with a payment plan if you used one.
  3. Add the agreement. Upload your coaching agreement so it goes out for e-signature before the first call.
  4. Set the daily rhythm. Turn on a morning and evening check-in and two or three habits that match your method. Fewer is better: a client who answers two questions every day tells you more than one who skips a long form.
  5. Invite one client first. Ask a long-standing client to install the app, book a session, and complete one week. Fix anything confusing before you invite everyone.
  6. Move the rest in batches. Invite active clients after their next session, not mid-package, and tell them what changes: one app instead of an emailed link, and where to find their worksheet. Our guide to switching from Paperbell without losing a client includes wording you can adapt.
  7. Watch the statuses. After two weeks, check who is thriving, active, quiet or at risk, and message the quiet ones.

For the data side (what to export from Paperbell and how to handle active subscriptions), see how to migrate from Paperbell.

What red flags and switching costs should you watch for?

The biggest switching cost is not the subscription; it is clients who never open the new app. Plan for that first, then check these:

  • "Mobile-friendly" presented as an app. A responsive portal is not an installed app with notifications. Ask the vendor which it is.
  • App on the top tier only. Delenta (Premium), Kajabi (branded app on Pro), Circle and Mighty Networks (custom branded apps by quote) all gate their best app features. Price the tier you will actually use.
  • Two logins for the client. An engagement app plus a separate booking and payment tool means clients remember two passwords. Expect lower completion.
  • Transaction fees on top of processing. Circle charges 2% on Professional. Compare what you keep, not just the plan price.
  • Active subscriptions. Recurring payments in Paperbell run through its Stripe or PayPal connection. Moving them may need clients to re-enter card details, so time it with a renewal.
  • Client caps that move. Quenza Spark (10), Delenta Starter (10 portals) and Practice Better Starter (10) all force an upgrade as you grow.
  • Your own App Store listing. Publishing under your name usually means a custom contract. If your clients only need your branding when they open the app, a branded experience inside a shared app is cheaper and faster.

Which Paperbell alternative with a client app should you choose?

Choose Coachful if your clients should do something every day between sessions and you want booking, payments, contracts, programs, check-ins, courses and community in one branded app with one login for you. It is built for coaches who deliver programs, not just sessions, and for coaches replacing several tools at once. It does not do HIPAA work, PayPal or wearable sync, and the app carries your branding inside the Coachful app rather than your own listing. To start, take the free trial and send a build request for your first program.

Choose Quenza if you want only a worksheet app on top of your current admin. Choose Circle or Mighty Networks if a large community is the product. Choose Delenta if you need PayPal and a practice tool with an app on Premium. Choose Practice Better if you need clinical records. Choose Kajabi if courses carry the business. For other angles, see our Paperbell alternatives shortlist and the best client check-in apps for coaches.

Frequently asked questions

Does Paperbell have a client app?

Paperbell's older profile documents no native mobile app; clients use the client portal in a mobile browser. Its pricing page lists a client portal with custom branding, scheduling, payments, contracts and forms. If you need an installed app with habits or check-ins, you will need another tool.

What is the cheapest Paperbell alternative with a client app?

Quenza Spark at $25 a month for 10 clients is the cheapest installed client app here, as listed in October 2026. It has no payments or scheduling, so most coaches pay for a second tool too. Compare total stack cost, not only the plan.

Can I get my own app in the App Store?

Kajabi includes a branded mobile app on its Pro plan at $499 a month, and Circle and Mighty Networks offer custom branded apps by custom quote. Coachful gives clients your branding inside the Coachful app rather than a listing under your own account.

What do clients do in the Coachful app?

They book and pay, sign the agreement, follow program weeks with daily tasks, log habits, answer morning and evening check-ins, track goals, take courses and join the community. Everything sits in one branded app, so they need one login.

What is Coachful's free white-glove service?

It is a free build service on every plan. You describe what you want, such as a program, course outline, website, funnel or email sequence, attach references, and the Coachful team builds it in your account, usually within about 24 hours. It does not include recording videos, logo design, ad management or ongoing marketing.

Will my clients have to re-enter payment details if I switch?

Often, yes, for recurring payments, because subscriptions are tied to the processor connection in Paperbell. Time the switch with a renewal and tell clients ahead. Our migration guide covers the details.

Is Coachful suitable for health coaches handling medical information?

Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical records or insurance billing. Coaching is not medical treatment; refer clients to a clinician when health concerns come up. Practice Better is built for clinical-style practice management.

Does Coachful take PayPal?

No. Payments run through your own Stripe Connect or Razorpay account, including Apple Pay and Google Pay. If many clients pay only by PayPal, Delenta lists Stripe and PayPal.

Can group programs run inside the client app?

In Coachful, enrolling a client in a program automatically adds them to a cohort group with a feed, group chat and video events. Circle and Mighty Networks are community-first, and Delenta lists group coaching. Paperbell's group coaching runs through its portal; see our Paperbell group coaching breakdown.

How long does switching from Paperbell take?

It depends on how many active clients and subscriptions you have. Coachful imports clients, programs and content for you during onboarding, and the white-glove team can build your first program. Move clients in batches after their next session to avoid disruption.
