Vibly Review 2026: Pricing, Features and Who It Suits

This Vibly review answers one question for coaches: is Vibly the right platform for your practice? Short answer: Vibly is a capable, fairly priced coaching management platform that is built mainly for coaching organizations, such as wellness programs, clinics, employers and coach networks, and it is one of the few coaching tools that offers HIPAA compliance with a Business Associate Agreement (BAA). If you are a solo coach who also needs a website with funnels, email marketing, courses, a community and habit tracking in one place, Vibly covers part of that job and leaves the rest to other tools.
We make Coachful, a competing coaching platform, so read this with that in mind. Everything below about Vibly comes from what Vibly documents on its own pricing and features pages as listed in October 2026 and from public review data. We have not run a hands-on test of Vibly, and we say where the public information is thin.

Vibly review: what is the short verdict?
Vibly suits coaching organizations and health-adjacent practices that need HIPAA coverage, a team roster and sponsor reporting. Solo coaches who want to market, sell and deliver programs from one login will usually get more from an all-in-one coaching platform.
- Who it suits: coaching firms, employer and wellness programs, clinics running coaching between patient visits, and coach networks that want a branded directory, an admin dashboard, role-based permissions, HubSpot sync and API access. Also health coaches and therapists who must sign a BAA with their software vendor.
- Who should skip it: solo coaches who sell through funnels, email sequences, courses and a community, and coaches whose clients expect a native mobile app. Vibly's client portal runs in the browser and no native app is mentioned.
- Public rating: 4.9 out of 5 on Capterra from 22 reviews, as seen on October 29, 2026. That is a strong score from a small sample.
- Price: Basic $25/month, Pro $59/month, Teams $149/month for two seats plus $50 per extra seat, and custom Enterprise pricing, as listed in October 2026. A 14-day free trial is offered.
- Biggest caveat: several items on the pricing page are marked "Coming Soon", including the AI add-on and, in the plan comparison, workflows and automation.
If you are comparing options right now, our Vibly alternative page sets the two platforms side by side, and the comparison hub covers other coaching tools.
What is Vibly?
Vibly is coaching management software whose plans are pitched at everyone from solo coaches to large organizations. In practice, its product pages put most of their weight on organizations: there are dedicated sections for health and wellness programs, leadership and executive coaching, coaching networks and institutes, and clinics and medical practices.
The platform splits into three areas on its features menu. "Run your practice" covers scheduling, built-in video, payments, invoicing and superbills, programs and packages, forms, e-signatures and a coach website. "Engage your clients" covers the client portal, secure messaging, session notes and journaling, resource sharing, group coaching and events. "Run your organization" covers team management, an organization-wide CRM for clients, sponsors and contracts, session oversight, analytics, a branded coach directory and white-label portals.
Two things set Vibly apart from most coaching tools. First, it states that all platform features are HIPAA compliant and it offers a BAA, which matters if you work with protected health information in the United States. Second, it is built around an operations portal for organizations: coach rosters, client assignment, sponsor reports, two-way HubSpot sync and an API. Vibly also runs a coach directory open to coaches accredited by boards such as the NBHWC and ICF, and is building a "Vibly Academy" for practice partners and mentorship, which was on a waitlist in October 2026.
How well does Vibly handle marketing?
Vibly gives you a presence, not a marketing system. You get a booking-ready coach website and profile that Vibly says can go live in about 30 minutes, service pages, QR codes for services and meeting pages, a website integration to embed Vibly into an existing site, and a listing in Vibly's coach directory.
What Vibly does not document is the rest of a coach's marketing stack: no funnel builder, no lead-magnet pages, no email lists or broadcast sequences, no blog and no social scheduling are mentioned on its pricing or features pages. For many coaches who already run marketing on another tool, that is fine. For coaches building from scratch, it means a second subscription for email and landing pages.
Honest note: the directory is a genuine plus for credentialed coaches looking for referrals from organizations, because it is open to NBHWC, ICF, CEC, BCC and nurse coaching board accredited coaches. It is not a substitute for your own lead generation.
How does Vibly handle selling and payments?
Vibly takes payments through Stripe with no Vibly surcharge on client payments; you pay Stripe's standard processing fees only. Its pricing page lists checkout, bundles, packages, no-interest payment plans, subscriptions and memberships, custom invoices with multi-currency support, marking invoices paid offline, and superbills.
Superbills are a notable inclusion. They are itemized receipts clients can submit to an insurer for possible reimbursement, which is useful for health coaches and therapists. Programs and packages can be set up in "good-better-best" tiers and time-bound bundles. Agreements can be uploaded, tagged and e-signed inside Vibly.
Honest note: billing and invoicing, the form builder and e-signed agreements sit on Pro, not Basic. If contracts are part of your onboarding, budget for Pro from day one. Stripe is the only processor listed, so there is no PayPal option.
How does Vibly handle delivery and sessions?
Delivery is where Vibly is strongest for one-to-one and group work. Scheduling includes booking pages, buffers, daily limits and sync with up to six calendars (multi-calendar sync is a Pro feature). Built-in video is HIPAA compliant and includes notes and chat inside the call, so you do not need a separate Zoom account for sessions. Up to five customizable session reminders can be set per account.
For groups, Vibly lists closed cohorts, open groups, waitlists and per-member pricing, plus events and workshops with one-to-many pages, QR codes, embeds and repeat dates. Group sessions and live events sit on Pro. Session notes can be private or shared, and clients can keep journals per session. Programs are modular, and the comparison table lists goals and tasks.
Honest note: what Vibly does not describe is daily between-session structure: there is no mention of habit tracking, daily check-ins, streaks or a course builder with drip lessons. If your coaching relies on clients doing work between calls, check this carefully during the trial.
What is the client experience like on Vibly?
Clients get one secure portal for sessions, notes, files and payments, with HIPAA, GDPR and SOC 2 compliant messaging. Coaches share files and curated resources client by client, and Vibly advertises a curated resource library of more than 1,000 expert-curated resources as a premium feature.
The portal runs in the browser. Vibly's materials do not mention a native iOS or Android app for clients. Teams and Enterprise plans add white-label portals, so an organization can put its own brand on the coach and client portals.
Honest note: a browser portal is perfectly workable for sessions and documents. It is less suited to daily nudges, because clients have to remember to open a tab rather than get a push notification from an app on their phone.
How does Vibly handle admin and team operations?
This is the part of Vibly built for organizations. Teams adds an admin dashboard, role-based permissions, a shared resource and document library, tracking and progress reporting, AI matching between clients and coaches, a white-label solution and a personalized provider directory. Session oversight shows completion, no-show and cancellation patterns across the team, and analytics cover utilization and engagement. The org-wide CRM tracks clients, sponsors and contracts.
Enterprise adds custom payment routing, workflows and automation, API access, custom integrations, AI-powered provider matching, multi-disciplinary teams, dedicated onboarding and training, and a priority support SLA. Vibly also offers two-way HubSpot sync for organizations.
Honest note: we found no public help center or documented data export for Vibly. Before you commit client records, ask Vibly in writing how you can export everything if you leave.
How much does Vibly cost?
Vibly starts at $25/month for Basic and runs to $149/month for Teams, with annual billing lowering Basic to $20/month and Pro to $50/month, as listed in October 2026. Every plan includes unlimited clients, sessions and services.

| Plan | Monthly | Billed yearly | Seats | What it adds |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients | Solo plans; Studio and Agency add coach seats | Booking, payments, contracts, programs with habits and check-ins, courses, community, website, funnels, email and AI assistant on every plan; lower plans cap clients, Pro is unlimited |
| Vibly Basic | $25 | $20/month | 1 coach | Unlimited clients, built-in video, secure messaging, scheduling, payments, document sharing |
| Vibly Pro | $59 | $50/month | 1 coach | Forms builder, e-signed agreements, advanced scheduling, billing and invoicing, multi-calendar sync, live events, group sessions |
| Vibly Teams | $149 | Not listed | 2 included, $50 per extra seat | Admin dashboard, role-based permissions, shared library, progress reporting, AI matching, white label, provider directory |
| Vibly Enterprise | Custom | Custom | Custom | API, custom integrations, custom payment routing, workflows, dedicated onboarding, SLA |
On top of the plans, Vibly advertises an AI Coach Assistant add-on at $20/month with a one-month free trial. In October 2026 it was labelled "Coming Soon" with a waitlist, and each listed function (note-taking and summaries, resource suggestions, message drafting and coaching insights) carried the same label.
A worked example, using Vibly's listed prices: a team of five coaches on Teams pays $149 for the first two seats plus three extra seats at $50, which comes to $299/month. A solo health coach who needs contracts, invoicing and group sessions is on Pro at $59/month, or $50/month billed yearly, and would add a separate email marketing tool if they run a newsletter.
One caution: Vibly's feature list and its plan comparison table disagree in places. For example, the features page mentions AI drafting help in messaging while the AI add-on is still marked as coming soon, and workflows and automation appear under Pro as "Coming Soon" and again under Enterprise. Confirm the exact features on your chosen plan with Vibly before paying.
What do public reviewers say about Vibly?
Public reviewers rate Vibly highly, but there are not many of them. Vibly holds 4.9 out of 5 from 22 reviews on Capterra as of October 2026. With a sample that small, treat the score as encouraging rather than conclusive.
The themes that come through in the testimonials Vibly publishes on its own pricing page are affordability for HIPAA compliance, having everything in one place, and a sense of community among coaches. Bear in mind that a vendor chooses which testimonials it shows. One coach wrote:
This is by far the most affordable HIPAA compliant platform on the market and is a one stop shop.
Another testimonial on the same page praises the people behind the product and the coach community:
Vibly is filled with heart for coaches looking for a place with like-minded individuals wanting to connect and coach clients.
We could not find a substantial body of public complaints to summarize, which is common for younger tools with small review counts. The weaknesses worth testing come from Vibly's own documentation instead: features marked "Coming Soon", no native client app, no documented data export or public help center, and contracts and invoicing held back to Pro. Raise each of these during your trial.
What are Vibly's pros and cons?
Vibly's main strengths are HIPAA coverage with a BAA, fair per-coach pricing with unlimited clients, and organization tooling. Its main weaknesses are a thin marketing layer, no native app and several unfinished features.
| Area | Pros | Cons |
|---|---|---|
| Coachful (for contrast) | One login for booking, payments, contracts, programs with habits and check-ins, courses, community, website, funnels and email; branded client app; free white-glove build | Not HIPAA-certified, no BAA; no HubSpot or Salesforce integration; no PayPal |
| Compliance | HIPAA compliance with a BAA; HIPAA, GDPR and SOC 2 compliant messaging; HIPAA-compliant built-in video | Compliance alone does not make a coaching practice clinical; you still decide what records to keep |
| Pricing | Unlimited clients on every plan; no Vibly fee on client payments; annual discounts on Basic and Pro | Contracts and invoicing require Pro; AI add-on is extra and not yet live |
| Delivery | Built-in video with in-call notes; group cohorts with waitlists; events with repeat dates; superbills | No documented habit tracking, daily check-ins or course builder |
| Marketing | Quick coach website; coach directory listing; QR codes | No documented funnels, email sequences or blog |
| Organizations | Admin dashboard, roles, session oversight, sponsor CRM, white label, HubSpot sync, API on Enterprise | API and workflows sit on custom-priced Enterprise |
| Client experience | One secure portal for sessions, notes, files and payments | Browser only; no native mobile app mentioned |
| Trust signals | 4.9 on Capterra | Only 22 reviews; no public help center or documented export |
Who is Vibly best for?
Vibly is best for organizations that run coaching programs for other people and for health-adjacent coaches who need a signed BAA. Here is how that breaks down.
- Clinics and medical practices that add health coaching between patient visits and must keep protected health information on HIPAA-covered software.
- Employer wellness and leadership programs that report progress to a sponsor while keeping coaching conversations private.
- Coach networks and institutes that want a branded directory, AI matching between clients and coaches, and white-label portals.
- Solo health coaches and therapists who need HIPAA coverage, superbills and built-in video, and who already handle marketing elsewhere.
A word on scope for health coaches. Coaching is not medical treatment or therapy. Health and wellness coaches support behavior change; they do not diagnose, prescribe or treat. Refer clients to a doctor or licensed mental health professional when symptoms are new or worsening, when a client mentions self-harm, disordered eating or medication changes, or when a question falls outside your training. If you are a covered entity or business associate under HIPAA, the U.S. Department of Health and Human Services explains the rules on its HIPAA pages; check with an attorney about whether they apply to your practice. Credentialing bodies such as the NBHWC and the ICF publish their own ethics and scope guidance.
Vibly is a weaker fit for solo life, business, career or mindset coaches who need to attract clients, sell programs and keep clients engaged daily. Those coaches tend to end up adding an email tool, a landing page builder, a course platform and a community app around a scheduling core.
What are the best Vibly alternatives for coaches?
We ranked these alternatives by one login for the whole client journey, between-session delivery, total stack cost, and setup effort including a free white-glove build. On those criteria Coachful leads, with the HIPAA caveat stated plainly.

Third-party prices above are as listed in October 2026.
1. Coachful
Coachful is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login and the client has one branded app. It is built for coaches who deliver programs rather than only sessions, solo coaches growing into a small team, and coaches replacing four to six tools. Details are in the next section. Pick Vibly over Coachful if you need a BAA, HubSpot sync or a sponsor-facing operations portal.
2. Practice Better

Practice Better is practice management for wellness and nutrition practitioners: scheduling, telehealth, charting, billing, programs and a client portal. It has a free Sprout plan for 3 clients, Starter at $35/month for 10 clients, Professional at $69/month for 300 clients, Plus at $99/month for unlimited clients and Team at $155/month, as listed in October 2026. Evergreen programs, portal branding, custom URL and SMS start on Plus, and there is no website builder or funnel pages. Trustpilot shows 3.8 from 87 reviews. Our Practice Better review covers it in depth. Pick it over Coachful if you need clinical-style charting for nutrition clients.
3. Paperbell

Paperbell is all-in-one admin for solo coaches: booking, packages, payments, contracts, a client portal and a simple website, on a single plan at $97/month or $80.83/month billed yearly, with unlimited clients. It has no courses, community, or goal and habit tracking, and no native mobile app. Trustpilot shows 3.5 from 14 reviews. Pick it over Coachful if you want the simplest possible session-and-package setup and nothing more.
4. CoachVantage

CoachVantage combines CRM, scheduling, contracts with e-sign, invoices, a client portal, group programs and small courses. Clarity costs $39/month with caps on booking pages, sales pages and e-signatures; Aha! costs $59/month with those caps lifted. It is priced per coach with unlimited clients, but has no team features in our data. Pick it over Coachful if you want a CRM-first tool and your clients rarely need daily structure.
5. Simply.Coach

Simply.Coach offers contracts, programs, sessions, booking pages and a client portal, with business tiers for coaching firms. Solo plans run from Starter at $9/month for 3 active coachees to Leap at $69/month for unlimited coachees, and business plans CoCreate and Surge are priced per active coach. Every solo tier below Leap caps clients, contracts and programs. See our Simply.Coach review. Pick it over Coachful if you run a firm that needs program managers and sponsor seats.
For a lighter solo option, our Coach Recap review covers a tool with a free plan for up to 3 active clients.
How does Coachful compare as a Vibly alternative?

Coachful covers the full coaching journey in one login, from the first website visit to the last program week, while Vibly concentrates on sessions, compliance and team operations. The trade-off is clear: Coachful is not HIPAA-certified and does not sign a BAA, so clinical records and insurance billing belong in a clinical system.
What Coachful is. A coaching platform for coaches who deliver programs, not just sessions, from solo practices to small teams. What it does not do: it is not HIPAA-certified, has no PayPal, no permanent free plan, no HubSpot or Salesforce integration, and its client app ships under the Coachful listing with your branding rather than your own App Store account. How to start: take a free trial, then ask the team to build your setup for you through the free white-glove service.
Marketing. A section-based website builder with 30 designed homepage templates, a blog, custom domain and SEO settings; booking, application, lead-magnet and checkout funnels with pixels and UTM tracking; email lists, broadcasts and multi-step sequences with branching and A/B splits; a social planner that publishes to Instagram, Facebook, LinkedIn, X, Threads and YouTube; and Instagram automations that send a booking link or lead magnet in a DM when someone comments a keyword.
Selling. Payments go through your own Stripe Connect or Razorpay account with one-time payments, subscriptions, payment plans, order bumps, coupons, Apple Pay and Google Pay and Stripe Tax. There is a 0% Coachful platform fee (since August 2026); you pay only Stripe or Razorpay processing. Coaching agreements with e-signature go out before the first call and are stored on the client record.
Delivery. Booking pages with availability rules, buffers, minimum notice and time-zone detection; two-way Google, Apple/iCloud and Outlook sync; built-in video or auto-created Zoom, Meet or Teams links; email reminders, plus SMS and WhatsApp once messaging is enabled. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins and streaks. Courses with drip, a community feed, group chat and automatic cohort groups on enrollment cover group coaching.

Client experience. Clients see one branded home and app with their sessions, programs, habits, courses and community. Each client record shows goals, check-ins, notes, intake answers, payments and an AI briefing, with a status of thriving, active, quiet or at risk.

Admin and growth. Michelle, the built-in AI assistant, works from your live practice data to build programs, draft emails, summarize recorded sessions and brief you before sessions. ICF credential tracking counts coaching hours and clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log. Team plans (Studio and Agency) add coach seats with per-coach availability and staff permissions; see Coachful for teams. You can export all client data as a ZIP.

Here is a short walkthrough of how a client moves through a Coachful program:
Why Coachful stands out: a free white-glove service. On every plan, you can open Create and choose "We'll build it for you" to describe what you want built: a website, funnel, sales page, program, course outline, email sequence, form, link in bio, webinar or automation. You can attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and any gaps are left for you. For example, a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. Read more about the free white-glove service.

Coachful holds 4.5 on Trustpilot from 21 reviews. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.

If you run a health coaching practice, also see Coachful for health coaches for how to keep coaching work in Coachful while clinical records stay in a HIPAA-covered system.
Should you choose Vibly?
Choose Vibly if HIPAA coverage with a BAA is non-negotiable or if you run a coaching organization that reports to sponsors and manages a roster of coaches. In those cases its compliance, built-in video, superbills, admin dashboard and HubSpot sync do real work, and the price per coach is reasonable.
Choose something else if you are a solo or small-team coach whose growth depends on marketing and on what clients do between sessions. Vibly does not document funnels, email sequences, habit tracking, daily check-ins or courses, and its client portal is browser-only. Several features, including AI and workflows, were still marked "Coming Soon" in October 2026. For that kind of practice, an all-in-one platform such as Coachful replaces the extra tools you would otherwise add around Vibly, and the free white-glove build gets you set up quickly. Browse our other reviews or the coaching software overview if you want to look wider.
Frequently asked questions about Vibly
Is Vibly HIPAA compliant?
Yes. Vibly states that all features included in its platform are HIPAA compliant and it offers a Business Associate Agreement. Its built-in video and secure messaging are both described as HIPAA compliant. You are still responsible for how you use the software, so check with an attorney about your own obligations.
How much does Vibly cost?
As listed in October 2026, Basic is $25/month ($20/month billed yearly), Pro is $59/month ($50/month billed yearly), Teams is $149/month with two seats plus $50 per extra seat, and Enterprise is custom. A planned AI add-on is advertised at $20/month but was marked Coming Soon.
Does Vibly have a free trial or free plan?
Vibly offers a 14-day free trial on Basic, Pro and Teams. There is no free plan. Enterprise is sold through a demo.
Does Vibly charge transaction fees?
No. Vibly says it adds no surcharge to client payments, so you pay only Stripe's standard processing fees. Stripe is the only payment processor listed.
Does Vibly have a mobile app for clients?
Vibly's materials describe a secure client portal that runs in the browser and do not mention a native iOS or Android app. If your clients need push reminders for daily habits, test the mobile browser experience during the trial.
Is Vibly good for solo coaches?
Solo coaches can use Basic and Pro, and both include unlimited clients. Vibly works well for solo coaches who need HIPAA coverage and already handle marketing elsewhere. Solo coaches who need funnels, email marketing, courses and habit tracking will usually be better served by an all-in-one coaching platform.
What is Vibly's rating?
Vibly holds 4.9 out of 5 on Capterra from 22 reviews, as seen on October 29, 2026. The score is strong, but the sample is small, so weigh it alongside your own trial.
Can I use Coachful for health coaching instead of Vibly?
Coachful works for health coaching programs, habits and check-ins, but it is not HIPAA-certified and does not sign a BAA. If you need to store protected health information or bill insurance, keep those records in a HIPAA-covered clinical system. Coaching is not treatment, so refer clients to a medical professional when concerns fall outside coaching.
What is Coachful's free white-glove service?
On every Coachful plan, you can ask the Coachful team to build a website, funnel, program, course outline, email sequence or other asset inside your own account, usually within about 24 hours. You describe what you want and attach references, and nothing is invented: gaps such as prices or testimonials are left for you to fill. It does not include recording videos, logo design or ad management.
How do I move from Vibly to Coachful?
Ask Vibly in writing for an export of your client records and documents, because Vibly does not publicly document an export. During Coachful onboarding, your clients, programs and content are imported for you, and the free white-glove service can rebuild your website and funnels. See the Vibly alternative page for a fuller comparison.
