Best Client Portal for Business Coaches: 12 Picks for 2026

Best Client Portal for Business Coaches: 12 Picks for 2026

The best client portal for business coaches is the one your clients actually open between calls. A business coach sells change in how someone runs a company: a 90-day plan, a pricing decision, a hiring sequence, a weekly sales rhythm. Most of that work happens between sessions, so the portal has to hold the plan, the numbers the client commits to, the documents you share and the next call, all behind one login. If it only stores files and invoices, the accountability lives in your inbox instead.

Our pick is Coachful, because it carries the whole business-coaching journey in one place: the application funnel that brings a founder in, the agreement and payment plan that enroll them, the program with weekly goals and check-ins that delivers the work, and the community and renewal offers that keep them. We make Coachful, so we have ranked it first and said why in one line above the table below; the other eleven tools are described from what their vendors document and what public reviewers report, with prices as listed in October 2026.

This guide maps the business-coaching client journey in four stages, shows which tool covers which stage, then ranks twelve portals. After the rankings you will find costs at 5, 15 and 40 clients, two stack recipes (one all-in-one, one assembled), and migration tips for moving a live client roster without losing anyone. For the broader category view, see our guide to the best client portal software.

What does a business coach's client journey need from a portal?

It needs to cover four stages: attract, enroll, deliver and retain. Business coaching has a longer sales cycle and a heavier delivery phase than most niches, so a portal that only handles one or two of these stages pushes the rest into spreadsheets, email threads and a second or third subscription.

Attract: turning expertise into booked discovery calls

Business coaches usually win clients through proof of thinking: a webinar on pricing, a free cash-flow checklist, a LinkedIn post about the first hire. The portal (or the tool next to it) needs a page that captures the lead, an email sequence that follows up, and a way to see which source each prospect came from. Many business coaches also screen prospects with an application before offering a call, because a founder doing six figures and one doing seven need different offers. An application form that feeds a lead list is worth more here than a generic contact form. Our guide to funnel builders for business coaches goes deeper on this stage.

Enroll: proposals, agreements and payment plans

Once a founder says yes, three things have to happen quickly: a coaching agreement signed before the first call, a payment set up (often a payment plan for a six- or twelve-month engagement, or a monthly retainer), and an intake that captures revenue, team size, goals and the biggest bottleneck. When these live in three tools, the first week of the engagement is spent on admin. A portal that sends the agreement, takes the payment and stores the intake answers on the client record shortens that week. See contract software for business coaches and invoicing software for business coaches if you are comparing those pieces on their own.

Deliver: the plan, the numbers and the next action

Delivery is where business coaching differs most from session-only coaching. A typical engagement runs on a quarterly plan broken into weekly commitments: call ten past clients, publish the new price sheet, write the job description, review the pipeline every Friday. The client needs one place to see this week's actions, tick them off, report what happened and prepare for the next call. The coach needs to see who is moving and who has gone quiet before the session, not during it. Courses (a pricing module, a hiring module) and downloadable templates (a P&L review sheet, an offer worksheet) sit alongside the one-to-one work. Group programs and masterminds add a cohort space where founders compare notes.

Retain: renewals, alumni and referrals

Business coaching clients often renew into a lighter retainer or a mastermind once the first engagement ends. That move is easier when the client already lives in your portal: their history, their goals and the community are there, and a renewal offer is one click. Retention also covers referrals, testimonials collected at the right moment, and a record of hours if you are working towards an ICF credential.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

Which tool covers which stage of the journey?

We ranked on four criteria, in this order: one login for the whole client journey, between-session delivery (goals, tasks, check-ins), total stack cost once you add what each tool lacks, and setup effort, including whether someone will build it for you.

How did we rank these 12 client portals?

We started from the business coach's week, not from a feature checklist. A tool earned a higher place if a founder could go from application to signed agreement to this week's actions without leaving it, and if the coach could see progress before each call. We then priced each tool at 5, 15 and 40 clients using the vendor's own pricing page, and added the cost of whatever a business coach would need to bolt on (a course platform, an email tool, a scheduler).

We did not run hands-on tests of every tool for this article. Vendor facts come from their pricing and product pages as listed in October 2026 (SuiteDash, Kajabi and Circle were checked on their pricing pages today), plus public review scores where noted. Tools built mainly for wellness practitioners or therapists sit lower, because their charting and intake features do not match how business coaches work. Where a price could not be read from the vendor's page, we say so.

1. Coachful: the whole business-coaching journey behind one login

A monitor in a co-working loft showing Coachful's client overview with client profiles and activity summaries
Coachful's demo client overview, with client profiles and activity summaries, on a monitor in a co-working loft.

Coachful is a coaching platform where one subscription covers the website, funnels and email that attract founders, the booking, agreements and payments that enroll them, the programs, habits, check-ins, courses and community that deliver the work, and an AI assistant that keeps you prepared. The coach has one login; each client gets one branded app with your branding inside the Coachful app. It is built for coaches who deliver programs rather than single sessions, solo coaches growing into a small team, and coaches replacing four to six tools.

For a business coach, the strongest part is delivery. A multi-week program holds weekly goals and daily tasks, so "price review this week" and "send three proposals by Friday" sit in the client's portal with a due date, not in your notes. Morning and evening check-ins, goals with progress bars, habits and streaks show you who is doing the work. Each client record pulls together goals, check-ins, habits, notes, intake answers, tags, payments and sessions, and marks the client as thriving, active, quiet or at risk. Before a call, Michelle, the built-in AI assistant, briefs you from that live data and can summarize recorded sessions afterwards.

Enrollment is handled in the same place. Booking pages support availability rules, buffers, minimum notice, time-zone detection and intake questions, and sync two ways with Google, Apple/iCloud and Outlook calendars. Video calls run built in or through auto-created Zoom, Meet or Teams links. Coaching agreements with e-signature go out before the first call and are stored on the client record. Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, with Stripe Tax. Coachful charges a 0% platform fee (since August 2026), so only Stripe or Razorpay processing applies.

Coachful client Programs view with an enrolled group program, its current week and members
The demo Programs view a client sees: an enrolled group program, its current week, members and the route into the program.

Group work is covered too. When a founder enrolls in a mastermind or group program, Coachful creates the cohort group automatically, with a community feed, group chat, direct messages and video events. Courses with modules, lessons, drip and completion tracking sit next to downloads, videos and bundles in the client's branded home. If you want clients to have support between calls, the AI Coach is an AI version of you that selected clients can chat with; you configure what it does.

Attracting clients uses the same account: a section-based website builder with blog, custom domain and SEO settings, 30 designed homepage templates, booking, application, lead-magnet and checkout funnels with pixels and UTM tracking, a link-in-bio page that sells, and email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits. The prospects list shows each lead's source and stage. For business coaches who post on LinkedIn, the social planner schedules posts to LinkedIn, Instagram, Facebook, X, Threads and YouTube from one calendar.

Here is a short walkthrough of how a client moves through a journey in Coachful:

Why Coachful stands out: a free white-glove service. From Create, the "We'll build it for you" option lets you describe what you want built: a website, an application funnel, a sales page for a 12-week engagement, a program, a course outline, an email sequence, a form or worksheet. You can attach up to 8 reference links and up to 10 files (logos, brand guides, copy, documents). The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent build was for a business mentor for beauty professionals, who got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. A leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. The service does not cover recording videos, logo design, ad management or ongoing marketing. More detail is in our post on the free white-glove service.

Coachful Create page with the We will build it for you card
The Create page in Coachful with the card for requesting a free white-glove build.

What Coachful does not do matters for some business coaches. It has no multi-stage sales deal board for large teams and no Salesforce or HubSpot integration, so a coaching firm running a corporate sales pipeline will keep its CRM. It has no PayPal and no permanent free plan. The client app ships under the Coachful listing with your branding, not under your own App Store account. It is not HIPAA-certified, which rarely matters for business coaching but is worth knowing. The affiliate feature tracks links, clicks, conversions and revenue, but payouts are recorded manually.

Plans are flat and monthly; lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats with per-coach availability and staff permissions (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). To start, open a free trial, then use the white-glove build to have your site, funnel or program set up; clients, programs and content are imported for you during onboarding. More on fit is on the Coachful for business coaches page.

2. Kajabi: a strong pick if courses and an audience come first

Kajabi suits the business coach whose revenue leans on digital products: a pricing course, a membership, a newsletter, with one-to-one coaching sold on top. Its pricing page lists courses, communities, newsletters, coaching, digital downloads, memberships and podcasts as products, plus a website builder, funnels and automations, email marketing, a contact CRM and Kajabi Payments.

For business coaches, the attraction is the marketing side. Funnels, landing pages and marketing emails are listed as unlimited on every plan, which suits a coach who runs regular webinars or lead magnets aimed at founders. The community and cohort features give a group program a home, and the coaching product lets you sell sessions next to courses.

As listed in October 2026, Basic is $179/month ($143/month billed annually) with 5 products, 2,500 contacts, 1 website, 1 community and 2 admin users. Growth is $249/month ($199/month annually) with 50 products and 25,000 contacts. Pro is $499/month ($399/month annually) with unlimited products, 100,000 contacts, 3 websites and 3 communities. Processing fees apply and vary by country and payment provider. The page offers a free trial; its length was not shown in the text we read.

The limits are about delivery and cost. The pricing page does not list habit tracking, daily check-ins or a per-client status view, so the weekly accountability loop that business coaching depends on would need another tool or manual follow-up. The 2,500-contact cap on Basic can bite once your email list grows, and the entry price is high for a coach with five one-to-one clients. See our roundup of course platforms for business coaches for how it compares on the course side.

Pick it over Coachful if your business is mainly courses and a large email audience, and one-to-one accountability is a small add-on.

3. SuiteDash: a white-label business portal with agency roots

SuiteDash is an all-in-one business platform with a CRM, client portal, proposals, contracts with e-signature, invoicing and recurring billing, projects and tasks, file exchange, secure messaging, scheduling, email marketing, an LMS and a community. It lists consulting and coaching among its use cases, alongside agencies, accountants and law firms.

Business coaches who run their practice like a consulting firm, with proposals, project boards and shared files per client, will find a lot here. Every plan includes unlimited CRM contacts, unlimited staff, unlimited portals, "extreme" white labeling and a custom branded mobile app, so you do not pay per client or per seat. That flat model is attractive for a coach who also works with a client's leadership team.

As listed today on SuiteDash's pricing page, START is $19/month ($180/year), THRIVE is $49/month ($480/year) and adds drip marketing, dynamic proposals, deal pipelines and client-side live chat, and PINNACLE is $99/month ($960/year) and adds the full automation toolkit, the onboarding toolkit, LMS learning management and support tickets. Client journeys are marked "coming soon". There is a 14-day trial on PINNACLE with no credit card, and "Century" one-time plans exist for the long-committed.

The trade-off is coaching fit and setup. The feature list is written for any service business, so coaching-specific pieces such as habit tracking, daily check-ins, coaching agreements tied to sessions or ICF hour logs do not appear on it. Courses and onboarding flows need the top plan. Expect to design your own client experience from general building blocks.

Pick it over Coachful if you run a consulting-style practice that needs project boards, proposals and support tickets more than a coaching program structure.

4. HoneyBook: tidy client admin for proposal-led coaches

HoneyBook's public homepage as captured in October 2026, showing its headline and product overview
HoneyBook's homepage in October 2026.

HoneyBook is a client-management CRM for service businesses: proposals, contracts, invoices, a scheduler and a client portal. A business coach who sells custom engagements through a proposal (scope, timeline, fee) will like how the proposal, contract and first invoice move together for the client.

Prices as listed in October 2026: Starter is $29/month billed annually (the monthly figure was not shown) with unlimited clients and projects and 2 live lead forms; Essentials is $59/month ($49/month annually) with up to 2 team members and 10 lead forms; Premium is $129/month ($109/month annually) with unlimited team members. A 30-day free trial with no credit card is stated in the pricing FAQ. Payments must run through HoneyBook's own processing; the card rate is shown as 2.7% + 10¢ in the FAQ and 2.9% + 25¢ in the plan comparison, and ACH is 1.5%. Trustpilot showed 4.1 from 748 reviews when checked in October 2026.

For business coaching, the gap is delivery. HoneyBook has no programs, courses, habits, check-ins or community, so once the contract is signed, the actual coaching work lives elsewhere. The scheduler and automations are not on Starter, which pushes most coaches to Essentials. An earlier profile also notes a price rise in February 2025.

Pick it over Coachful if you mostly sell bespoke consulting projects through proposals and deliver the work in meetings and documents rather than in a program.

5. Dubsado: workflow automation for the admin side

Dubsado's public homepage as captured in October 2026, showing its headline and product overview
Dubsado's homepage in October 2026.

Dubsado is a client workflow CRM: forms, contracts, invoices, a scheduler and automated workflows that move a client from inquiry to onboarding. Business coaches who want every new client to get the same sequence of intake form, agreement, invoice and welcome email can build that sequence once and let it run.

As listed in October 2026, Starter is $35/month ($27.92/month annually) with unlimited clients and projects but only one active lead-capture form, and Premier is $55/month ($43.75/month annually) with unlimited lead forms. A 21-day trial with full Premier access and no card is offered. Dubsado states no platform fee on payments; processor rates apply, and optional surcharging can pass card costs to the client.

The limits are clear from Dubsado's own description: it does not include website building and is not an email marketing platform. The Starter plan has no scheduler or automations, which are the main reasons to choose it. The mobile app is a companion, with full functionality in the desktop web app. There are no courses, client community, habits or check-ins, so between-session accountability needs a second tool.

Pick it over Coachful if your priority is a heavily automated onboarding paperwork flow and you already have a separate place for program delivery and marketing.

6. Paperbell: one price, simple admin, no program layer

Paperbell's public homepage as captured in October 2026, showing its headline and product overview
Paperbell's homepage in October 2026.

Paperbell is all-in-one admin for solo coaches: booking, packages, payments, contracts, a client portal and a simple website. A business coach selling "six sessions over three months" as a package can set up the booking page, the contract and the payment in one go.

There is one plan at $97/month ($80.83/month annually) with unlimited clients, sessions, files, packages and traffic, as listed in October 2026. A "Try For Free" button is on the pricing page; Paperbell's help center (July 2026) describes a 7-day trial with the public site offline and client messages off during it. A 30-day money-back guarantee is listed. Paperbell states no additional transaction fees; Stripe or PayPal fees apply. Trustpilot showed 3.5 from 14 reviews in October 2026.

Business coaches will notice what is missing for delivery. An earlier profile lists no courses or LMS, no community and no goal or habit tracking, and no native mobile app (clients use the mobile browser). That means the weekly plan, the founder cohort and the course material live in other tools. The single price is simple but the same for a coach with three clients as for one with forty. Our list of Paperbell alternatives covers this in more depth.

Pick it over Coachful if you sell session packages only, want the simplest possible setup, and are happy to deliver all program work outside the portal.

7. CoachAccountable: deep accountability, priced per active client

CoachAccountable's public homepage as captured in October 2026, showing its headline and product overview
CoachAccountable's homepage in October 2026.

CoachAccountable is a coaching back office built around sessions, action plans, metrics, worksheets, courses, invoicing and agreements. Business coaches tend to like the metrics feature: a client can report weekly revenue, leads or sales calls, and both of you see the trend. Action plans with due dates match the weekly-commitment style of business coaching well.

Pricing is per active client, as listed in October 2026: Starter $20/month for 2 active clients, Level 1 $40/month for 5, Level 2 $70/month for 10, Level 3 $120/month for 20, Level 4 $250/month for 50 and Level 5 $400/month for 100. There is a 30-day trial with no card and no limits. Transaction fees are not stated on the pricing page; processor fees apply. Trustpilot showed 4.8 from 47 reviews in October 2026, the highest score in this list.

The per-client model is the main catch for business coaches who run group programs or masterminds: forty founders in a cohort puts you on Level 4. An earlier profile lists no native mobile app and no landing pages, website or marketing automation, so attracting clients needs other tools. The interface is functional rather than branded, which matters if your clients are used to polished software. Compare options in our CoachAccountable alternatives page.

Pick it over Coachful if you coach a small number of one-to-one clients, want metric tracking above everything else, and handle marketing elsewhere.

8. Simply.Coach: built for coaching programs and sponsors

Simply.Coach's public homepage as captured in October 2026, showing its headline and product overview
Simply.Coach's homepage in October 2026.

Simply.Coach is a coaching practice platform with contracts, programs, sessions, booking pages and a client portal, plus business and enterprise tiers. Business coaches who are hired by a company to coach its managers will find the sponsor feature useful: the Surge tier lists sponsors, so the person paying can be kept in the loop.

The solo tiers, as listed in October 2026, are Starter $9/month (3 active coachees, 1 contract, 1 program), Essentials $29/month ($24.17/month annually; 7 coachees, 3 contracts, 3 programs), Growth $49/month (30 coachees, 10 contracts and programs) and Leap $69/month (unlimited coachees, contracts and programs). Business tiers are priced per active coach: CoCreate $79/month with 10 clients per coach, and Surge $159/month with 25 clients per coach, 2 program managers and 5 sponsors. A 14-day trial needs no card. Transaction fees are not stated.

Caps on clients, contracts and programs apply on every solo tier below Leap, so a growing practice will move up quickly. Mid-period cancellations are not refunded, and automated invoices were marked "Coming Soon" on the solo pricing page. Marketing pages, email sequences and a community are not part of the listed feature set.

Pick it over Coachful if most of your work is corporate coaching with sponsors who need visibility, and you sell through company relationships rather than funnels.

9. Satori: practice admin that counts only active clients

Satori's public homepage as captured in October 2026, showing its headline and product overview
Satori's homepage in October 2026.

Satori is a coaching practice tool with scheduling, a client portal, packages and programs, invoices and contracts. Its billing counts only active clients, which helps business coaches whose roster swells and shrinks with quarterly engagements.

Prices as listed in October 2026: Scholar is $0/month for coaches studying for a certification (unlimited pro-bono clients, by application); Essentials is $33/month ($27.50/month annually) for up to 10 active paying clients; Pro is $49/month ($40.83/month annually), which an earlier profile lists at 50 active clients; Leader is $124/month ($103.33/month annually), listed earlier at 150 active clients. There is a 15-day trial with no card, and a refund if requested within 30 days of signing up. Satori takes no charge on client payments; PayPal and Stripe fees apply.

For business coaches, an earlier profile lists no native mobile app, no native Zoom integration, and no landing pages, courses or community. That leaves the attract and retain stages, plus any group work, to other tools.

Pick it over Coachful if you want low-cost one-to-one admin with active-client billing and already run your marketing and groups elsewhere.

10. Practice Better: a wellness practice tool with a solid portal

Practice Better's public homepage as captured in October 2026, showing its headline and product overview
Practice Better's homepage in October 2026.

Practice Better is practice management for wellness and nutrition practitioners: scheduling, telehealth, charting, billing, programs and a client portal. Business coaches sometimes find it through peers in health coaching. The portal and program features work for any coaching, but the charting and clinical intake tools are built for a different job.

As listed in October 2026: Sprout is $0/month (3 clients, 100 MB), Starter $35/month ($25/month annually; 10 clients), Professional $69/month ($59/month annually; 300 clients), Plus $99/month ($89/month annually; unlimited clients, 3 admins) and Team $155/month ($145/month annually; 2 practitioners, up to 200 at $50 each). There is a 30-day trial on Team and 14 days on other paid plans. Payments run through Practice Better Payments, powered by Stripe; no platform fee is stated. Trustpilot showed 3.8 from 87 reviews in October 2026.

The fit issues for business coaches: evergreen programs, portal branding, custom URL and SMS start on Plus, so a branded experience costs $99/month. An earlier profile lists no website builder or funnel pages, and accounts below Team allow one practitioner.

Pick it over Coachful if you combine business coaching with nutrition or wellness work that needs charting and telehealth in the same record.

11. Circle: a community-first home for masterminds

Circle is a community platform with courses, live events, a website, a member directory, payments and branded apps. For a business coach whose main offer is a mastermind, peer group or alumni community, Circle gives founders a well-designed space to talk, share wins and join live sessions.

As listed today on Circle's pricing page (prices shown on annual billing, in USD, before taxes): Professional is $89/month with unlimited members, community, courses, live events, website, payments and apps, and a 2% transaction fee; Business is $199/month and adds workflows, APIs, branded email notifications and removal of Circle branding, with a 1% fee; Scale is $419/month with AI agents and unlimited workflows. Circle Plus, with custom branded mobile apps, is custom priced. An optional Email Hub is charged on top. There is a 14-day trial with no card.

What Circle does not list matters for one-to-one business coaching: there is no booking, coaching agreement, habit tracking or per-client check-in on the pricing page. Automations start on Business. Circle works best as the community layer of a stack, next to a booking and contracts tool. Our guide to community platforms for business coaches compares it with other options.

Pick it over Coachful if your business is a large paid community where one-to-one coaching is rare, and you want community features above all else.

12. Quenza: worksheets and activities, but no payments yet

Quenza's public homepage as captured in October 2026, showing its headline and product overview
Quenza's homepage in October 2026.

Quenza is a client engagement tool for coaches and therapists: activities, worksheets, programs, chat and a client app. A business coach could use it to send a structured "quarterly review" worksheet or a "values and vision" exercise and see the answers come back in one place.

As listed in October 2026: Spark is $25/month ($20/month annually) for 10 clients, Growth $50/month ($40/month annually) for 250 clients, Impact $125/month ($100/month annually) for 400 clients and Collective $160/month ($128/month annually) for up to 3 professionals and 500 clients. Beyond is custom priced. A 30-day trial with no card is offered. Trustpilot showed 4.3 from 8 reviews in October 2026.

The gaps are large for a business coach: invoicing and digital products are marked as planned, so there is no client payment processing today, and an earlier profile lists no scheduling or video calls. You would need a separate tool for booking, contracts, payments and marketing.

Pick it over Coachful if you only need a worksheet and activity tool to layer onto an existing admin system.

All-in-one or assembled: which stack should a business coach run?

For most solo business coaches and small teams, one platform costs less and asks less of clients than three or four tools. Assembled stacks make sense when one stage dominates the business, such as a large course audience or a corporate sales pipeline.

Recipe 1: the all-in-one stack

Coachful alone covers the website and application funnel, email sequences, booking, agreements, payments, the program with weekly goals and check-ins, courses, the founder cohort and renewals. At 15 clients the monthly cost is the plan line here: Solo: $49/month for up to 20 clients. Add Stripe or Razorpay processing on what you collect. Clients learn one app, and you check one dashboard before each call.

An example assembled stack for a business coach with 15 one-to-one clients and a small mastermind might look like this, at monthly list prices from October 2026:

  • Dubsado Premier for intake forms, contracts, invoices and scheduling: $55/month.
  • CoachAccountable Level 3 for action plans and weekly metrics: $120/month.
  • Circle Professional for the mastermind community: $89/month (annual-billing basis), plus a 2% transaction fee on Circle payments.
  • An email marketing tool and a website host, priced separately.

That example comes to $264/month before email, website and processing fees, and the client meets three logins. A lighter version (Paperbell plus Circle) comes to $186/month but drops weekly metrics and goal tracking. Our guide to email marketing platforms for business coaches covers the email piece if you go this route.

How do you move clients into a new portal without losing them?

Move in a quiet week, migrate the active clients first, and tell clients what changes for them before you switch. A business coaching roster is small enough that a clean move takes days, not months, if you plan it.

  1. Export everything first. Pull your client list, session history, notes, signed agreements and any metric history from the old tool before you cancel. Keep the files even if you never open them again.
  2. Split active from alumni. Active clients need their current plan, next session and payment schedule rebuilt. Alumni only need a contact record and a tag for future renewal offers.
  3. Rebuild the current quarter, not the whole history. Load each active client's goals and this quarter's weekly commitments. Old action items rarely need to move.
  4. Handle payments carefully. Subscriptions and payment plans tied to the old processor account may need to be set up again. Agree a switch-over date with each client so nobody is charged twice.
  5. Send one short message. Tell clients what the new app is for, how to log in, and that their next session is already booked there.
  6. Keep the old tool read-only for a month. It gives you a fallback while you check that nothing was missed.

In Coachful, clients, programs and content are imported for you during onboarding, and the free white-glove build can set up the website, funnel or program you are moving. If you later leave, a full client data export is available as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses), along with course export. For a related view on accountability tools, see client accountability portals for business strategists.

Which client portal should a business coach pick?

Choose Coachful if you want the whole client journey, from application funnel to renewal, in one login with weekly goals and check-ins between calls. It is the only tool here that pairs all four stages with between-session goals and check-ins, the free white-glove build can set it up for you, and it charges no platform fee on payments.

Among the others, Kajabi is the better fit for a course-led business with a big audience, SuiteDash for a consulting-style practice that wants project boards and white labeling, and HoneyBook or Dubsado for proposal-led admin. CoachAccountable is strong on metrics for a small one-to-one roster, Simply.Coach for sponsor-funded corporate work, and Circle for a community-first mastermind. Paperbell and Satori keep session admin simple, while Practice Better and Quenza suit coaches whose work leans towards wellness or worksheets.

Frequently asked questions

What is the best client portal for business coaches?

We rank Coachful first because it covers attract, enroll, deliver and retain in one login, with weekly goals, check-ins and a client status view between sessions. Kajabi and SuiteDash follow for coaches whose business leans on courses or consulting-style projects. We make Coachful, so weigh our ranking against the criteria above.

What should a client portal for business coaching include?

At minimum: booking with calendar sync, signed agreements, payments including payment plans, a place for the client's goals and weekly actions, shared documents, and messaging. Business coaches who run groups also need a cohort space, and coaches who sell to founders benefit from an application funnel and email follow-up in the same tool.

Is Coachful's white-glove build service really free?

Yes, it is free on every plan. You describe what you want built (a website, funnel, program, course outline, email sequence or form), attach references, and the Coachful team builds it in your account, usually within about 24 hours. It does not include recording videos, logo design, ad management or ongoing marketing.

Can I track client business metrics like revenue in a coaching portal?

CoachAccountable has a dedicated metrics feature for numbers such as weekly revenue or leads. In Coachful, you can set goals with progress bars and use check-ins and weekly goals to capture what a client reports. Pick the approach that matches how often your clients share numbers.

Do I need a separate CRM for business coaching?

Not for most solo coaches. Coachful's prospects list tracks lead source and stage, and the client record holds intake answers, tags, payments and sessions. Coaching firms running a multi-stage corporate sales pipeline may still want a dedicated CRM, since Coachful has no Salesforce or HubSpot integration.

Which portal works best for group programs and masterminds?

Coachful creates cohort groups automatically when clients enroll in a program, with a feed, group chat and video events. Circle and Kajabi are strong community platforms if the group is the main product. Per-client pricing tools such as CoachAccountable get expensive for large cohorts.

Can corporate sponsors see a client's progress?

Simply.Coach lists sponsors on its Surge business tier, which suits coaches hired by a company. In other tools you would share progress through reports or meetings. Agree what the sponsor can see in your coaching agreement before the engagement starts.

How hard is it to switch client portals mid-engagement?

It is manageable if you export first, rebuild only the current quarter for active clients, and agree a payment switch-over date with each client. Keep the old tool read-only for a month as a fallback. Coachful imports clients, programs and content for you during onboarding.

Does Coachful help with ICF credential hours?

Yes. Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. Details are on the ICF hour tracking page.

Is there a free plan for business coaches?

Practice Better (Sprout, 3 clients) and Satori (Scholar, for coaches in certification) list $0 tiers. Coachful has no permanent free plan but offers a free trial, and the white-glove build is included on every plan. Free tiers usually cap clients or features tightly.
