7 Best Coaching Software With Microsoft Teams Integration

7 Best Coaching Software With Microsoft Teams Integration

The best coaching software with Microsoft Teams integration does three things without you touching them: it puts a working Teams link on every booking, it keeps your Outlook calendar and the client's invite in step, and it gives the sponsor's IT or procurement team clear answers when they ask where client data lives. If your clients sit inside Microsoft 365, those three jobs decide the shortlist. Everything else (programs, payments, contracts) decides the winner.

Our pick is Coachful. It creates Teams links automatically on booking, syncs two ways with Outlook, and then carries the rest of the engagement (agreement, payment, between-session work, notes) in one login for you and one branded app for your client. We make Coachful, so weigh that, and read the "Pick it over Coachful if..." line at the end of every other entry. Some of them are the better choice for specific situations.

This guide is written for executive coaches, leadership coaches and corporate coaching practices whose clients book from a work laptop, live in Outlook and will not install Zoom just for you. It ranks seven tools by scenario, shows a comparison matrix, prices three example stacks and walks through a full setup.

What do executive and corporate coaches need from Teams-friendly coaching software?

They need the meeting to land inside the client's existing workday, with no extra app, no personal-email workaround and no awkward "can we switch to Zoom?" message. That sounds small. In a corporate engagement it is the first impression the sponsor gets of how you run things.

Here is what the job looks like for this audience specifically:

  • The client's calendar is Outlook, and it is locked down. Many corporate clients cannot accept calendar invites from unknown tools, or their assistant manages the calendar. A booking that drops a proper invite with a Teams link into Outlook gets accepted. A link to an external video tool sometimes gets blocked or ignored.
  • Your own calendar is probably Outlook too. Coaches who came out of corporate roles often still run on Microsoft 365. Two-way sync matters because a board meeting you add in Outlook must block your coaching availability instantly, and a coaching booking must appear in Outlook just as fast. Our guide to coaching platforms with two-way calendar sync explains why one-way sync causes double bookings.
  • There are three parties, not two. The coachee, the sponsor (usually HR, L&D or the coachee's manager) and you. Contracts, invoices and progress summaries often go to the sponsor, while the session content stays between you and the coachee.
  • Security questionnaires arrive before the first session. Larger organizations ask where data is stored, whether it can be exported or deleted, and how the platform handles personal data under the EU General Data Protection Regulation or similar laws. You need honest answers, not marketing badges.
  • Engagements run in blocks. Six or twelve sessions over three to nine months, with a three-way kickoff, a midpoint review and a close-out. Between sessions, the coachee works on a development goal, and the value of the engagement depends on whether that work actually happens.
  • ICF credentials matter. Many executive coaches hold or are working toward an ACC, PCC or MCC, so logging hours per client is part of the admin load.

A tool that only adds Teams links solves the first bullet. The rest of this list is why most executive coaches end up comparing full coaching platforms, not just schedulers.

Which tool should you pick for your situation?

Start with the scenario closest to yours. The criteria behind the ranking come next, and each tool section opens with the situation it wins.

Ranking criteria: one login for the whole client journey, Teams and Outlook handling at booking, between-session delivery, total stack cost, and setup effort (including Coachful's free white-glove build).

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

How did we choose and rank these tools?

We started from what the vendors document, as listed in October 2026, and what public reviewers report. We did not run hands-on tests, so treat every non-Coachful integration claim below as "check this in your trial." Prices are as listed on each vendor's pricing page in October 2026.

Each tool was judged on five things that matter to Microsoft 365 clients:

  1. Teams at booking. Does the platform create a Teams meeting link automatically when a client books, or do you paste a standing link? A standing link works until two clients join the same room by mistake.
  2. Outlook sync direction. Two-way sync, or a one-way push that leaves you double-booked?
  3. The rest of the engagement. Agreements, invoicing (often to a company), between-session goals and check-ins, notes, and a place for the client to see progress.
  4. Cost across a realistic client load. Executive coaches often carry 5 to 15 active coachees, while a small firm may carry 40 or more.
  5. Setup effort. How long until a polished booking flow is live and a sponsor can be sent a link.

Where a vendor's Teams support could not be confirmed from the information we had, we say so plainly instead of guessing. Microsoft's own product changes often, so confirm the specifics of how any tool authorizes against your Microsoft account during a trial. For background on how video connections work across coaching tools, see our guide to video call integration for coaching platforms, and if some of your clients prefer Zoom, our Zoom integration roundup covers that side.

1. Coachful: the best coaching software with Microsoft Teams integration overall

Wins when: you coach executives or corporate clients on Microsoft 365, and you want the Teams link, the Outlook invite, the coaching agreement, the invoice and the between-session work all handled by one platform.

Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. You get one login. Your client gets one app, branded as your practice. It is built for coaches who deliver programs rather than isolated calls, for solo coaches growing into a small team, and for coaches who are tired of stitching together four to six tools. The company is based in Tallinn, Estonia, and holds a Trustpilot rating of 4.5 from 21 reviews.

How the Teams and Outlook side works

Booking pages carry your availability rules, buffers between sessions, minimum notice and automatic time-zone detection, which matters when a coachee flies between London and Singapore. Each session can use Coachful's built-in video or an auto-created Zoom, Google Meet or Microsoft Teams link, so a corporate client books and gets a Teams meeting without you creating one by hand. Calendar sync runs two ways with Outlook, Google and Apple/iCloud, so a meeting added in your Outlook blocks the slot in Coachful, and a booking appears in Outlook.

Reminders go out by email, plus SMS 24 hours before and WhatsApp 1 hour before once messaging is enabled. Booking pages can ask intake questions (role, reporting line, what the sponsor expects), and sessions can be paid, or drawn from session credits when a company has bought a block of twelve. Multi-coach session types can assign by round-robin or least-busy, which helps a small firm share a corporate account across associates.

This short walkthrough shows the scheduling side, from availability to booked sessions:

What happens between Teams calls

Most executive engagements succeed or fail between sessions. In Coachful, you can build a multi-week program with weekly goals, daily tasks, habits, morning and evening check-ins, and goals with progress bars and streaks. A coachee working on "delegate the quarterly forecast" sees the goal, this week's task and a two-question evening check-in in their app, and you see whether they did it before the next Teams call.

The client's coaching hub shows the next session and the work to finish before it (demo data).

The client record holds goals, check-ins, habits, notes, intake answers, tags, payments, sessions and an AI briefing per client. Each client is marked thriving, active, quiet or at risk, so you notice when a busy VP goes silent before the sponsor does. Michelle, the built-in AI assistant, works from that live practice data: it can brief you before a session, summarize recorded sessions and draft follow-up emails. If you want it, Michelle can also give you private feedback on your own coaching against ICF Core Competencies 3 to 8, a useful exercise for anyone preparing a PCC or MCC submission. Questions and planning with Michelle are included in your Coachful membership; confirmed builds and changes use AI credits.

Agreements, invoices and the sponsor

Coaching agreements with e-signature go out before the first call and are stored on the client record. Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax. Every transaction produces an invoice, and you can raise manual invoices too, which is how many coaches bill a company for a block of sessions. Coachful takes a 0% platform fee on client payments (since August 2026); only Stripe or Razorpay processing applies. Our coaching contracts page shows the agreement flow in more detail.

Answers for a security review

Be precise with procurement. Coachful is GDPR-ready and lets you export full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions and form responses). It is not HIPAA-certified and does not sign a BAA, so it is not the place for clinical records. There is no Salesforce or HubSpot integration, and no PayPal. Zapier is supported, which covers most "send this to our HR system" requests; our Zapier roundup has examples. The client app ships under the Coachful listing with your branding rather than your own App Store account, which some IT teams will ask about.

Websites, teams and growth

If you want a public site for corporate buyers, Coachful includes a section-based website builder with a blog, custom domain and SEO settings, plus booking and application funnels. Team plans (Studio and Agency) add coach seats with per-coach availability and staff permissions; see Coachful for teams. Executive coaches can start from the executive coaching page to see the setup suggested for that niche.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you · FREE" and describe what you need: a website, a booking or application funnel, an offer page for a six-month leadership engagement, a program, an email sequence, a form. Attach up to 8 reference links and up to 10 files (logo, bio, existing proposal). The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and any gaps are left for you to fill. One recent build: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Recording videos, logo design, ad management and ongoing marketing are not included. More detail is in our white-glove service guide.

Limits to know. No routing forms that pick a host from form answers, no multi-stage sales deal board for large business-development teams, no wearable sync, and the affiliate program records payouts manually. Lower plans cap the number of clients, Pro is unlimited, and monthly plans cancel in one click (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients).

2. Vibly: for coaching firms serving corporate sponsors

The situation it fits: you run a coaching firm, an employer coaching program or a coach network, and the buyer wants rosters, assignment and sponsor reporting more than a polished client app.

Vibly homepage as it appeared in October 2026
Vibly's homepage in October 2026.

Vibly describes itself as coaching management software built mainly for organizations: coaching firms, employers, wellness programs, clinics and coach networks. Its operations portal handles coach rosters, assigning clients to coaches and sponsor reports. It also documents a two-way HubSpot sync and an API, which matters when a corporate client's L&D team wants data in their own systems. Coachful has no HubSpot integration, so this is a genuine difference.

For Microsoft 365 clients, Vibly lists built-in video rather than a native Teams link in the information we had, so confirm during the trial whether sessions can run on Teams or whether clients join Vibly's own video. Calendar sync details for Outlook were not in our data either. Ask both questions in the first demo call.

It is also one of the few tools here that offers HIPAA compliance with a BAA, which helps if your corporate work touches employee wellbeing programs run with clinical partners. Programs, group cohorts, events and Stripe payments are included. The client portal runs in the browser, and no native mobile app is mentioned.

What it costs, as listed in October 2026: Basic $25/month ($20/month billed annually) and Pro $59/month ($50 annually) for solo coaches; Teams $149/month with 2 seats, then $50 per extra seat; Enterprise is custom and demo-only. There is a 14-day free trial, and Vibly takes no fee on client payments beyond Stripe's. On Capterra it holds 4.9 from 22 reviews.

Where it falls short for a solo executive coach: the product is aimed at operations teams, so a single coach pays for organizational features they may never open, and there is no website builder, funnels or email marketing in what we reviewed.

Pick it over Coachful if you need a BAA, a HubSpot sync or sponsor-facing reporting across a large roster of coaches, and a browser-only client experience is acceptable.

3. Calendly: when you only need a booking page in front of Teams

Choose this for: a coach who already has contracts, invoicing and notes handled elsewhere and simply wants clients to pick a time from a link.

Calendly homepage as it appeared in October 2026
Calendly's homepage in October 2026.

Calendly is a scheduling tool and nothing more: booking pages, reminders and workflows, and paid bookings through your own Stripe or PayPal account. Corporate clients recognize it, and many assistants already know how to book through it, which removes friction with executives who delegate their calendars.

Video conferencing connections are central to how Calendly is used, but we could not confirm Teams support per plan from the pricing information we had, so check that the plan you choose creates Teams links and connects to Outlook before you send a link to a sponsor. On the free plan you get one event type and one calendar connection, which is tight for anyone who runs both a chemistry call and a full session.

What you get beyond scheduling: very little, by design. There are no client records, notes, programs, habits or check-ins, no intake questionnaires beyond booking questions, and no contracts or invoicing. An executive coach using Calendly will usually add HoneyBook or a practice tool for agreements and billing, plus a notes tool, plus something for between-session work. That stack is where the cost and the logins add up.

Pricing as listed in October 2026: Free at $0 (1 event type, 1 calendar connection); Standard $10 per seat per month billed annually with up to 6 calendar connections and unlimited event types; Teams $16 per seat per month billed annually, dropping on larger seat tiers; Teams Plus $24 per seat annually; Enterprise from $15k per year with a 50-seat minimum. Monthly prices were not shown on the page. Trustpilot shows 4.1 from 714 reviews.

Per-seat billing means every associate in a small firm pays separately, which is fine for two coaches and expensive for twelve.

If you are weighing a scheduler against a full platform, our scheduling software page and the guide to when separate tools break explain the trade-off.

Pick it over Coachful if you are happy with your existing contract, billing and notes tools and want the cheapest, most familiar booking link possible.

4. Simply.Coach: built around formal engagements and sponsors

Best fit: a coach or small practice running structured corporate engagements where a sponsor and a program manager are part of every contract.

Simply.Coach homepage as it appeared in October 2026
Simply.Coach's homepage in October 2026.

Simply.Coach is a coaching practice platform covering contracts, programs, sessions, booking pages and a client portal, with business and enterprise tiers. Its business plans spell out the corporate structure directly: the Surge tier lists 2 program managers and 5 sponsors per active coach. That vocabulary maps closely onto how executive coaching is bought, and it is the main reason it ranks here.

On Teams: we could not confirm from the pricing data whether Simply.Coach creates Teams links automatically, and the solo plans cap calendars (1 on Starter, 3 on Growth). If your Outlook calendar plus a personal calendar both need to block availability, check which plan you need.

Prices as listed in October 2026:

  • Starter $9/month: 3 active coachees, 1 contract, 1 program, 1 calendar
  • Essentials $29/month ($24.17 annually): 7 coachees, 3 contracts, 3 programs
  • Growth $49/month: 30 coachees, 10 contracts and programs, 3 calendars
  • Leap $69/month: unlimited coachees, contracts and programs
  • CoCreate $79/month per active coach (10 clients per coach); Surge $159/month per active coach (25 clients per coach)

A 14-day free trial needs no card.

Watch for: client, contract and program caps on every solo tier below Leap, no refunds for mid-period cancellations, and automated invoices marked "Coming Soon" on the solo pricing page at the time we checked. For coaches who bill companies monthly, that last point means manual work.

Pick it over Coachful if your engagements are tightly sponsor-managed and you want sponsor and program-manager roles named in the product, and you do not need a website, funnels or a client app with daily habits.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

5. CoachVantage: flat per-coach pricing with unlimited clients

It suits: a solo executive coach who wants a classic practice management tool (CRM, scheduling, contracts, invoices) at one predictable per-coach price.

CoachVantage homepage as it appeared in October 2026
CoachVantage's homepage in October 2026.

CoachVantage covers CRM, scheduling, contracts with e-signature, invoices, a client portal, group programs and small courses. It prices per coach with unlimited contacts and engagements, so carrying 40 coachees costs the same as carrying 5. For associate-heavy firms, note that older profile data shows no team or multi-coach features.

Video is the weak spot for this audience. CoachVantage has its own built-in video, CVMeet, which reviewers have described as weak, and many users still run calls on Zoom according to the older profile. We could not confirm native Teams link creation, so test it before you promise a corporate client a Teams invite. Outlook sync direction should also be verified in the trial.

Pricing, October 2026: Clarity $39/month ($35 annually) with 2 group programs, 2 sales pages, 2 booking pages, 4 e-signatures per month, 2 contract templates and 2 courses; Aha! $59/month ($53 annually) with unlimited group programs, sales pages, booking pages and e-signatures. A 14-day trial needs no card, and CoachVantage states it takes no commission on your revenue (Stripe or PayPal fees apply).

The cap that bites: 4 e-signatures a month on Clarity. An executive coach onboarding three new coachees in one month, each with a coachee agreement and a three-way sponsor agreement, runs out quickly and needs Aha!.

Pick it over Coachful if you prefer a traditional practice-management layout, PayPal is a must, and you do not need Teams links created for you.

6. HoneyBook: proposals and invoices for consulting-style work

Where it shines: coaches whose corporate work looks like consulting: a proposal, a signed scope, staged invoices to a company, and a few workshops alongside 1:1 sessions.

HoneyBook homepage as it appeared in October 2026
HoneyBook's homepage in October 2026.

HoneyBook is a client-management CRM for service businesses: proposals, contracts, invoices, a scheduler and a client portal. If you sell leadership workshops to teams as well as coaching (our guide on selling workshops to corporate teams covers that motion), the proposal-to-invoice flow is strong.

For Teams, the scheduler is not on Starter at all; it begins on Essentials. We could not confirm automatic Teams link creation from the data we had, so verify it alongside Outlook sync.

What it does not do for coaching: no programs, courses, habits, check-ins or community. Between sessions, your coachee has nothing to open except invoices and files. Payments must run through HoneyBook's own processing: the pricing FAQ shows 2.7% + 10¢ per card payment while the plan comparison shows 2.9% + 25¢ (the page conflicts), ACH is 1.5%, and instant deposit costs 1%.

Plans as listed in October 2026: Starter $29/month billed annually (monthly price not shown) with unlimited clients and 2 lead forms; Essentials $59/month ($49 annually) with up to 2 team members; Premium $129/month ($109 annually) with unlimited team members. A 30-day free trial needs no card. Trustpilot shows 4.1 from 748 reviews.

Pick it over Coachful if your work is mostly proposals and project billing to companies, you rarely deliver between-session programs, and you are comfortable with HoneyBook as your payment processor.

7. Coach Recap: lightweight notes with Outlook sync for a small solo practice

Good when: you coach a handful of executives, your main need is session notes and a booking page that respects your Outlook calendar, and you want to start for nothing.

Coach Recap homepage as it appeared in October 2026
Coach Recap's homepage in October 2026.

Coach Recap is built for solo coaches and says it is not aimed at agencies or enterprises. It provides client profiles with session history, session notes, goals and action items with full-text search, a booking page with buffers and notice rules, two-way Google Calendar and Outlook sync, and email reminders at 24 hours, 1 hour and 15 minutes. Programs are session packs or monthly subscriptions paid through Stripe, with sessions used and remaining tracked. Intake forms, check-ins, contracts, private chat and resource sharing are listed too.

Two-way Outlook sync is documented, which covers half of the Microsoft 365 requirement. Teams link creation was not stated in the information we had, so check it before relying on it.

Cost as listed in October 2026: Starter $0 for up to 3 active clients (active means a session or booking in the last 90 days), Professional $29/month for up to 20, Business $79/month for unlimited. Stripe's standard fees apply and Coach Recap takes no cut. Annual pricing was not shown, and its pricing page screenshot shows euro amounts that differ from App Store prices.

The trade-off: it is a notes-and-sessions tool. There is no website, funnel, course, community or email marketing in what we reviewed, so growth work happens elsewhere.

Pick it over Coachful if you have three or fewer active clients, want a no-cost tool for notes and Outlook-synced booking, and do not need between-session programs yet.

How do the seven tools compare on Teams, Outlook and the rest?

Coachful is the only tool here where automatic Teams links, two-way Outlook sync and between-session programs are all documented in our data. "Verify" means the vendor may support it, but we could not confirm it from the information we had in October 2026.

What does each tool cost at 5, 15 and 40 clients?

The short answer: per-coach tools stay flat, client-capped tools jump at each tier, and scheduler-only tools look cheap until you add the contract and billing layer. Figures are monthly list prices from October 2026; "annual" means the monthly equivalent when billed yearly.

Tool5 clients15 clients40 clients

Two notes. HoneyBook and Calendly cover only part of the job, so their numbers are not like-for-like with full platforms. And none of these include your Microsoft 365 licence, which you or your client already pay for.

What do three example stacks cost each month?

These are illustrative examples for an executive coach, built from October 2026 list prices. Card processing fees are left out because they depend on your volume.

The dollar totals are close. The difference is in what the client sees: in the multi-tool stacks, a coachee gets a Calendly email, a HoneyBook invoice and a link to a third app for between-session work. In the single-platform stack, they get one branded app and one Outlook invite with a Teams link.

How does an executive coach set up Teams and Outlook in Coachful, step by step?

The setup takes an afternoon, or less if you hand the website and funnel to the white-glove team. Here is a worked example for a leadership coach who sells six-month engagements to mid-size companies. The engagement details are an example, not a recommendation of how you should price or structure yours.

  1. Connect Outlook. Link your Microsoft 365 calendar so sync runs both ways. Check that an existing board meeting in Outlook now blocks that slot in your Coachful availability.
  2. Connect Teams and set it as the video option. For the "Executive coaching session (60 min)" session type, choose Teams so every booking gets an auto-created Teams link. Keep built-in video or Zoom on a separate session type for clients outside Microsoft 365.
  3. Set availability rules for corporate calendars. A 15-minute buffer after each session, 48 hours minimum notice, and time-zone detection on. Add a separate 30-minute "Chemistry call" type for prospects.
  4. Write the intake questions. Role, reporting line, sponsor name and email, what success looks like in six months. Answers land on the client record.
  5. Prepare the coaching agreement. Upload your agreement and send it for e-signature before session one, so it is stored on the client record. If the sponsor signs a separate company agreement, upload the signed PDF to the same record.
  6. Set up payment. Connect your Stripe account. For a company paying up front for twelve sessions, sell a session-credit package or raise a manual invoice; each payment produces an invoice automatically.
  7. Build the between-session program. A 24-week program with one development goal per month, weekly tasks, and an evening check-in on Fridays. Michelle can draft the first version from your outline.
  8. Turn on reminders. Email reminders by default, and SMS at 24 hours once messaging is enabled, so the coachee is reminded outside the inbox their assistant manages.
  9. Prepare the security answers. Note what Coachful does (GDPR-ready, full data export) and what it does not (no HIPAA BAA), and keep that paragraph ready for procurement.
  10. Book a test session. Book yourself from a second email, accept the Outlook invite, and join the Teams link. Then check the session appears in Coachful, Outlook and the client app.

If you would rather not build the public side yourself, ask the white-glove team for an application funnel for "Six-month leadership engagement" with a chemistry-call booking at the end. For the wider category, our coaching software overview and the enterprise coaching software comparison cover larger rollouts.

Which mistakes do coaches make with Teams-based coaching?

Most problems come from treating Teams as "just a link" rather than part of the client's calendar system. These are the ones that show up most with corporate clients.

  • Using one standing Teams room for everyone. Two clients arrive at the same time after a reschedule, and confidentiality is gone. Use a tool that creates a fresh link per booking.
  • One-way calendar sync. Your Outlook meeting does not block your booking page, and an executive books into a slot you are already using. Confirm sync is two-way.
  • Booking through the coachee's personal email. It feels faster, but the invite never reaches their work calendar and they miss the session. Ask for the work email at intake.
  • Forgetting the assistant. Many executives have someone else manage their calendar. Ask whether reminders should also reach that person.
  • Overclaiming compliance to procurement. If a tool is GDPR-ready but not HIPAA-certified, say exactly that. A wrong answer in a security questionnaire costs more than an honest "no".
  • Mixing sponsor and coachee content. Keep session notes on the coachee's record and send the sponsor only what the agreement says they receive. Review the ICF Core Competencies on confidentiality if the boundary is unclear.
  • Stacking tools for each role. A scheduler, a CRM, a notes app and a program app each need their own link, and each one is a place where the client's experience can break.

Which coaching software with Microsoft Teams integration should you choose?

For most executive and corporate coaches, Coachful is the right choice: it creates Teams links on booking, syncs two ways with Outlook, and carries the agreement, invoice, program and client record in one place, with a free white-glove build to get the public side live. Choose Vibly if you run an organization-level coaching program that needs a BAA or HubSpot. Choose Calendly if a booking link is all you are missing. Choose Simply.Coach for sponsor-heavy formal engagements, CoachVantage for a flat per-coach practice tool, HoneyBook for proposal-and-invoice consulting work, and Coach Recap if you have three or fewer clients and want to start free.

Whatever you choose, run the same test before your next corporate client: book yourself from a work email, accept the Outlook invite, join on Teams, and check that the booking shows up everywhere it should. If any step needs a manual fix, that fix will happen every week of every engagement.

Frequently asked questions

Does Coachful create Microsoft Teams links automatically?

Yes. Each session can use Coachful's built-in video or an auto-created Zoom, Google Meet or Teams link, so a client who books a Teams session gets a working meeting link without you creating it by hand. You can keep different video options on different session types.

Does Coachful sync with Outlook both ways?

Yes. Coachful offers two-way sync with Outlook, Google Calendar and Apple/iCloud. Events you add in Outlook block your coaching availability, and bookings made in Coachful appear in your Outlook calendar.

What is Coachful's free white-glove service?

From Create, choose "We'll build it for you · FREE", describe what you want (a website, funnel, program, email sequence and more), and attach up to 8 links and 10 files. The Coachful team builds it inside your account, usually within about 24 hours, without inventing credentials, testimonials or prices. It does not include recording videos, logo design, ads or ongoing marketing.

Is Coachful HIPAA-compliant for corporate wellbeing work?

No. Coachful is not HIPAA-certified and does not sign a BAA, so clinical records belong in a clinical system. It is GDPR-ready and supports a full client data export. If your program needs a BAA, Vibly lists HIPAA compliance with a BAA.

Can I use Teams for some clients and Zoom for others?

In Coachful, yes: set the video option per session type, for example Teams for corporate coachees and Zoom or built-in video for private clients. Other tools vary, so check per-session-type settings during a trial.

Do I need a Microsoft 365 business account to use Teams links?

Generally, scheduling tools create Teams meetings through the Microsoft account you connect, so you need a Microsoft account that can host Teams meetings. Your clients join with whatever Teams access their employer provides. Check the details for your own Microsoft licence, since Microsoft changes its plans regularly.

How should I bill a company for a block of coaching sessions?

Either sell a package of session credits or raise a manual invoice to the company. In Coachful, both options work through your own Stripe account, and each payment produces an invoice, with no Coachful platform fee on top of processing.

Can a small coaching firm share corporate clients across associates?

Yes. Coachful team plans add coach seats with per-coach availability and staff permissions, and multi-coach session types can assign by round-robin or least-busy. See our guide to coaching software for coaching companies for a wider comparison.

Will my client need to download an app?

Not for the Teams call itself: the client joins from the Outlook invite. For between-session goals and check-ins, Coachful gives clients a branded app inside the Coachful app listing, so they see your practice's branding rather than a generic tool.

Can Coachful track my ICF coaching hours from Teams sessions?

Coachful counts coaching hours and distinct clients from your sessions against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. The video platform used for the session does not change how hours are counted.
