Best Software for Body Image Coaches: 7 Options Ranked

Best Software for Body Image Coaches: 7 Options Ranked

The best software for body image coaches is the tool that holds the quiet work between sessions: the journal prompt on a hard Tuesday, the evening check-in after a difficult fitting room, the cohort chat where someone admits they skipped the beach again. Booking and payments matter, but they are the easy part. The deciding question is simple: where will your clients do the reflective practice that actually shifts how they see and treat their bodies, and can you see it without chasing them across five apps?

Our pick is Coachful, because it puts booking, agreements, payments, multi-week programs with daily prompts and check-ins, a private community and courses under one login, with one app your clients open in your branding. We make Coachful, so weigh that, and read the six other options below: each one wins a specific situation, and for some coaches one of them is the better buy.

This guide ranks seven tools by the scenario each one serves best, compares them feature by feature, prices three realistic stacks, and walks through a full body image program setup step by step. If you want a lighter read focused only on the client-facing side, see our companion pieces on the best app for body image coaches and the best platform for body image coaches.

Which tool should you pick for your situation?

Start with the situation that describes your practice today. The table below gives one pick per scenario; the sections that follow explain each choice and its limits. Prices are as listed by each vendor in October 2026.

What does a body image coach actually need from software?

A body image coach needs software that supports slow, private, repeated practice between sessions, with clear boundaries around scope. Most of the change in this work happens outside the call, in small daily exercises, so the delivery layer matters more than the calendar.

Look at a typical client journey. Someone finds you through a post about body neutrality, downloads a free guide, and books a discovery call. Before that call you want a few intake questions, including screening questions about eating disorder history and current treatment. If it is a fit, they sign a coaching agreement that states what coaching is and is not, pay for an 8 or 12 week program, and join either 1:1 sessions, a small cohort, or both. Between sessions they work through prompts: noticing body talk, curating their social feeds, writing about what their body does rather than how it looks, trying clothes that fit now. You review their reflections before each call and spot who has gone quiet.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

That journey translates into a short list of requirements:

  • Intake and screening on booking. You need to ask questions before the first call and keep the answers on the client record.
  • Agreements with e-signature. Your scope statement and referral clause belong in a signed document, not a buried email. Our guide to e-signature software for coaches covers the options in depth.
  • Multi-week programs with daily prompts and check-ins. Journaling, mood and reflection prompts that arrive on a schedule, with responses you can read.
  • Privacy that feels safe. Clients share things they have never said aloud. Private reflections should stay between you and the client, and group spaces should be closed and moderated.
  • Group and community features. Body image work is often stronger in a cohort, where people hear their own thoughts in someone else's words.
  • Control over what is tracked. This one is specific to the niche. Weight, measurements and calorie tracking can work against your goals with many clients. Good software lets you leave those features off.

A scope line every body image coach needs. Coaching is not treatment. Eating disorders are serious mental illnesses that need care from licensed clinicians, as the US National Institute of Mental Health explains. If a client describes restriction, bingeing, purging, compulsive exercise, or distress that is disrupting daily life, refer them to a physician, therapist or registered dietitian, and coach alongside treatment only if their clinician agrees. Professional ethics codes such as the ICF Code of Ethics ask coaches to be clear about the limits of coaching and to refer when another professional is needed. Your software should make the screening and the agreement easy, and none of the tools below are built for clinical record-keeping.

Body image itself is a broad concept covering perception, thoughts, feelings and behaviours toward one's own body; the Wikipedia overview of body image is a useful plain-language starting point if you write educational content for clients.

How did we rank these tools?

Ranking criteria: one login for the whole client journey, support for between-session delivery, total stack cost, and setup effort (including whether someone will build it for you).

To keep the comparison concrete, we used one scenario: a coach with 15 active clients, 10 of them in an 8-week body neutrality group program and 5 in 1:1 packages, plus a free guide to grow their list. For each tool we asked what else that coach would need to buy and connect to run the whole journey from first click to final session.

We did not run hands-on tests. Each section reflects what vendors document on their sites and pricing pages in October 2026, plus what public reviewers report. Trustpilot scores were checked on 25 October 2026.

Direct coaching platforms like Paperbell and Practice Better sit mid-table because they cover the admin well but leave gaps in group delivery or marketing. Community and course tools rank where they win one scenario outright. Calendly comes last because it only covers one step of the journey, even though it is a fine tool for that step.

1. Coachful: best overall for body image coaches

A laptop showing Coachful's coaching flows library with morning and evening check-in cards in a cosy reading nook
Coachful's coaching flows library, with Welcome, Morning Check-in and Evening Check-in flows, on a laptop beside an open journal.

Coachful wins when you run 1:1 clients and group programs at the same time and want every reflection, check-in and session in one place. It is a coaching platform that covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. You have one login; your clients have one app showing your branding.

Between-session delivery. This is where body image work lives, and it is Coachful's strongest area. You build multi-week programs with weekly goals and daily tasks, then add morning and evening check-ins. A morning check-in might ask "What is one thing you want to notice about how you talk to yourself today?" and the evening one "When did you feel at home in your body today?" Habits come with streaks, and goals show progress bars, so a client can see a month of small practice add up. You can read each check-in from the client record before the next call.

Here is a short walkthrough of how check-ins are set up and what the client sees:

Client records you can act on. Each client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with a status of thriving, active, quiet or at risk. In body image work, going quiet often means something: a hard week, a relapse into old habits, shame about not doing the exercises. The status flag tells you who to reach out to. Michelle, the built-in AI assistant, works from that live data and briefs you before each session, summarizes recorded sessions, and drafts emails and content. Questions and planning with Michelle are included in your Coachful membership; confirmed builds and changes use AI credits.

Groups and community. When a client enrolls in a program, Coachful automatically creates a cohort group for it. You also get a community feed, group chat, direct messages and video events, plus group calls and webinars. For an 8-week body neutrality cohort, that means the group space exists the moment people pay, without a separate community subscription. See our page on group coaching software for more on how cohorts work.

Scope and admin. Booking pages support intake questions, availability rules, buffers and minimum notice, with two-way Google, Apple/iCloud and Outlook calendar sync and built-in video or auto-created Zoom, Meet or Teams links. Coaching agreements with e-signature go out before the first call and are stored on the client record, which is where your scope statement and referral clause belong (more on coaching contracts). Payments run through your own Stripe Connect or Razorpay account with one-time payments, subscriptions, payment plans, coupons and refunds, and Coachful charges no platform fee on top of processing.

Coachful Agreements tab with a file drop area for signed PDFs

Courses and marketing. You can add a self-paced course with modules, drip and completion tracking, plus downloads, videos and AI tools, all delivered into the client's branded home. A section-based website builder, booking and lead-magnet funnels, and email sequences with triggers and branching mean your free guide and launch emails do not need another tool.

What to switch off for this niche. Coachful offers an optional Fitness & Nutrition pack with progress photos, measurements, calorie and macro targets. For most body image clients you will simply not use those features, and build programs around reflection, behaviour and self-talk instead. If you coach athletes or clients in recovery alongside a clinical team, discuss any tracking with that team first.

What it does not do. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. There is no PayPal and no permanent free plan. The client app runs under the Coachful listing with your branding, not your own App Store account. There is no Garmin, Fitbit, Whoop or Oura sync.

Why Coachful stands out: a free white-glove service. From Create > We'll build it for you, you describe what you want: a website, a free-guide funnel, a sales page for your group program, an 8-week program outline, an email sequence, an intake form. You can attach up to 8 reference links and up to 10 files such as your logo, photos and copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. For example, a somatic coach leaving Kajabi had their homepage and About page rebuilt and their contact form connected, and a menopause and midlife health coach starting from nothing got a five-page site with every button leading to a free 20-minute consultation. It does not include recording videos, logo design or ad management. Read more about the white-glove build service.

Price. Plans are flat monthly, lower plans cap the number of clients, and Pro is unlimited (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click, and there is a free trial.

Who it is for, in one paragraph. Coachful is for body image coaches who deliver programs rather than isolated sessions, who want to replace four to six tools with one, and who may later grow into a small team. It is not for clinicians who need HIPAA-compliant charting. To start, take a free trial and request the free white-glove build so your site, funnel and first program are in place before your first client logs in. Body image coaches with a wellness focus may also like our page for health coaches and the one for confidence coaches.

2. Quenza: is it best for worksheet-driven reflective work?

If your method is built on structured exercises, worksheets and psychoeducation more than on payments and marketing, Quenza is the strongest specialist here. It is a client-engagement tool used by coaches and therapists to send activities, worksheets and programs to a client app, with chat built in.

Quenza homepage as it appeared in October 2026, showing its headline and main product pitch
Quenza's homepage in October 2026.

For body image work, that fits exercises like a body talk diary, a social media audit, or a values worksheet. You build the activity once, send it as part of a program, and the client completes it in the app.

Prices as listed in October 2026: Spark is $25/mo ($20/mo annual) for 10 clients, Growth is $50/mo ($40/mo annual) for 250 clients, Impact is $125/mo for 400 clients, and Collective is $160/mo for up to 3 professionals and 500 clients. There is a 30-day free trial with no credit card. On Trustpilot it scored 4.3 from 8 reviews when we checked.

The limits are significant for a coaching business. Quenza does not process client payments or invoicing today; both are marked as planned on its pricing page. An older profile also notes no scheduling or video calls. That means you will add a booking tool, a payment tool and probably a website and email tool, which is exactly the multi-login setup many coaches are trying to leave. There is no community feature documented, so group cohorts need another home too.

Pick it over Coachful if you already run payments, booking and marketing elsewhere and only want a dedicated, worksheet-first client app for reflective exercises.

3. Mighty Networks: when the community is the product

Some body image coaches build their business around a membership: a body-positive or body-neutral community where hundreds of people share wins, attend live sessions and take courses. For that model, Mighty Networks is a natural fit. It combines community, courses and events, with member apps.

Mighty Networks homepage as it appeared in October 2026, showing its headline and main product pitch
Mighty Networks's homepage in October 2026.

As listed in October 2026, Launch costs $95/mo ($79/mo annual) with 3 hosts, 10 moderators and 20 hours a month of livestreaming for up to 100 attendees. Scale is $215/mo ($179/mo annual) with more hosts and 200 attendees. Growth is $354/mo on annual billing. There is a 14-day free trial with no credit card. Mighty takes a platform fee of 2% on Launch, 1% on Scale and 0.5% on Growth and above, on top of Stripe processing. Trustpilot showed 3.3 from 219 reviews.

Moderators matter in this niche. A body image community needs clear rules about diet talk, before-and-after photos and weight numbers, and enough moderator seats to enforce them. Mighty's moderator allowances are generous on paper.

The gaps are on the 1:1 side. Mighty Networks has no 1:1 scheduling, invoicing or contracts, and no per-client habits, check-ins or private coaching plans. Member apps are Mighty-branded unless you move to the custom-priced Mighty Pro. If you also coach individuals, you will run them elsewhere. Our guide to community platforms for coaches compares this model with built-in community features.

Pick it over Coachful if your main offer is a large paid community with many moderators and you do little or no 1:1 coaching.

4. Practice Better: for dietitians adding body image coaching

Practice Better suits nutrition professionals, such as registered dietitians, who already run a practice with charting and want to add body image and intuitive-eating style coaching to it. It is practice management for wellness and nutrition practitioners, covering scheduling, telehealth, charting, billing, programs and a client portal.

Practice Better homepage as it appeared in October 2026, showing its headline and main product pitch
Practice Better's homepage in October 2026.

Pricing as listed in October 2026: Sprout is $0 for 3 clients, Starter is $35/mo ($25/mo annual) for 10 clients, Professional is $69/mo ($59/mo annual) for 300 clients, Plus is $99/mo ($89/mo annual) with unlimited clients, and Team is $155/mo ($145/mo annual) for 2 practitioners. Trials run 30 days on Team and 14 days on other paid plans. Payments run through Practice Better Payments, powered by Stripe. Trustpilot showed 3.8 from 87 reviews.

The charting is the reason a dietitian picks it: if you hold a clinical license and work with clients who need clinical documentation, a coaching platform is the wrong home for those records. Check the vendor's own compliance documentation for your jurisdiction before storing health data.

For a coach without a clinical license, the trade-offs are different. Evergreen programs, portal branding, a custom URL and SMS only start on Plus at $99/mo. An older profile notes no website builder or funnel pages, so your free guide and sales page live in another tool. Below Team, one practitioner per account. Community features for cohorts are not part of its documented core. Our nutrition coach software guide covers it in more depth.

Pick it over Coachful if you are a licensed nutrition professional who needs charting and telehealth in the same system as your body image coaching.

Which one looks like you?

5. Paperbell: the simple choice for 1:1 packages

Paperbell suits the coach who sells 1:1 packages, say six sessions over three months, and wants booking, contracts, payments and a client portal without learning much. It is all-in-one admin for solo coaches with a simple website included.

Paperbell homepage as it appeared in October 2026, showing its headline and main product pitch
Paperbell's homepage in October 2026.

As listed in October 2026, Paperbell has a single plan at $97/mo ($80.83/mo annual) with unlimited clients, sessions, files and packages. It states no additional transaction fees beyond Stripe or PayPal processing, and offers a 30-day money-back guarantee. Its help center describes a 7-day trial with the public site offline and client messages and SMS off. Trustpilot showed 3.5 from 14 reviews.

The appeal is clarity: one price, everything for 1:1 admin, and support for PayPal if your clients prefer it.

The gap for body image work is what happens between sessions. An older profile notes no courses, community, goal or habit tracking, and no native mobile app (mobile browser only). You can share files and worksheets, but daily prompts, check-ins and cohort spaces need another tool. If you plan to run a group program at any point, you will be adding a community platform and probably an email tool. See our Paperbell alternatives page for more options.

Pick it over Coachful if you only coach 1:1, need PayPal, and want the shortest possible setup with nothing between sessions beyond files.

6. Kajabi: built for selling a self-paced course

Kajabi makes sense for a body image coach with a large audience, say a big social following, who wants to sell a self-paced course and a community to thousands of people. It is a course, community, website, funnel and email platform for selling knowledge products.

Kajabi homepage as it appeared in October 2026, showing its headline and main product pitch
Kajabi's homepage in October 2026.

As listed in October 2026: Basic is $179/mo ($143/mo annual) for 5 products and 2,500 contacts with 0 AI credits; Growth is $249/mo ($199/mo annual) for 50 products and 25,000 contacts; Pro is $499/mo ($399/mo annual). Kajabi Payments in the US costs 2.9% + $0.30 on Basic, and using another processor (other than PayPal) adds a Kajabi fee of 2% on Basic. The standard trial is 14 days. Trustpilot showed 3.4 from 2,347 reviews.

The marketing engine is strong: landing pages, email, checkout and a community in one account. For a course on media literacy or self-compassion with thousands of buyers, that matters more than per-client tracking.

For a coaching practice the fit is weaker. Kajabi has no habit tracking or daily client check-ins, and coaching runs as products and communities rather than per-client plans. Basic caps you at 2,500 contacts and 5 products. If you also coach individuals, you will likely add a booking and agreements tool. Our list of course platforms for coaches shows how built-in courses compare.

Pick it over Coachful if your business is mainly a high-volume self-paced course with a large email list, and personal coaching is a small add-on.

7. Calendly: enough when you are only taking discovery calls

Calendly fits the brand-new body image coach who is still validating the offer and only needs people to book a call. It is a scheduling tool: booking pages, reminders and paid bookings.

Calendly homepage as it appeared in October 2026, showing its headline and main product pitch
Calendly's homepage in October 2026.

As listed in October 2026, the Free plan covers one event type and one calendar connection. Standard is $10/mo per seat on annual billing with up to 6 calendar connections and unlimited event types; Teams is $16/mo per seat annually. Payments run through your own Stripe or PayPal account with no Calendly fee documented. Trustpilot showed 4.1 from 714 reviews.

Calendly does one job well. Booking questions let you ask a few screening questions before a discovery call.

Everything else is missing: no client records, notes, programs, habits or check-ins, no intake questionnaires beyond booking questions, and no contracts or invoicing. The moment someone says yes, you need a separate place for the agreement, payment and the program itself. That is why it ranks last for this niche, not because it is weak at scheduling. See our guide to calendar scheduling software for coaches if booking is all you need for now.

Pick it over Coachful if you have no paying clients yet and want a no-cost way to take discovery calls while you shape your offer.

How do the seven tools compare feature by feature?

The matrix shows which tools cover each step of a body image client's journey, based on vendor documentation in October 2026. "Partial" means the feature exists with notable limits; "Not documented" means we could not find it in the vendor's materials.

The pattern is clear. Specialist tools are strong in one or two columns. Only an all-in-one coaching platform covers the full row, which is why body image coaches who run both 1:1 and group work end up stacking three or four specialists otherwise.

What does each tool cost at 5, 15 and 40 clients?

Prices below are monthly list prices as published in October 2026, for one coach, before payment processing. Mighty Networks, Kajabi and Calendly do not cap clients in the same way, so their price is the entry plan that fits.

Calendly$0 to $10 per seat (annual)$0 to $10 per seat (annual)$0 to $10 per seat (annual)

On its own, each single-purpose tool looks cheap. The real comparison is the stack, because Quenza, Mighty Networks, Paperbell and Calendly each cover only part of the journey.

What do three example stacks cost per month?

These are illustrative stacks for the 15-client scenario above (10 in a group program, 5 in 1:1 packages), using list prices as published in October 2026. Your numbers will differ with annual billing and processing fees.

The cost gap is only half the story. In the two multi-tool stacks, a client's check-ins, worksheets and group conversation live in different places, so you lose the single view of who is struggling. You also spend setup time wiring tools together with links or Zapier, which is time the white-glove build removes in the one-platform stack.

How would you set up a body image program in Coachful, step by step?

Here is a worked example: an 8-week body neutrality cohort for 10 people plus optional 1:1 sessions. The steps follow the order a client experiences them.

  1. Request the build. Open Create > We'll build it for you and describe a five-page site, a free guide funnel ("Seven prompts for quieter body talk", for example), a sales page for the cohort and a welcome email sequence. Attach your logo, photos and draft copy. The team builds it in your account, usually within about 24 hours, and leaves gaps where they need your words.
  2. Set up the discovery call. Create a booking page with buffers and minimum notice, and add intake questions: what brings them, what they hope will change, and screening questions about eating disorder history and current treatment. Answers land on the client record.
  3. Write the agreement. Put your scope statement, referral clause and confidentiality terms into a coaching agreement with e-signature, sent before the first call.
  4. Build the offer and checkout. Create the cohort offer with a one-time price or a payment plan through your Stripe account.
  5. Build the program. Eight weeks, each with a weekly goal (week 1: notice body talk; week 4: wardrobe that fits now; week 7: your values beyond appearance) and daily tasks such as a short journal prompt. Michelle can draft the outline from your notes for you to edit, or pick from the program templates and rewrite them.
  6. Add check-ins and habits. A morning check-in with one intention, an evening check-in with one reflection, and one or two habits like "one kind sentence to my body" with a streak. Leave weight, measurements and progress photos off.
  7. Prepare the group space. Enrollment creates the cohort group automatically. Write the group rules first: no numbers, no diet talk, no comparison photos. Schedule weekly group calls as events.
  8. Add a short course. A few lessons on media literacy and self-compassion, dripped weekly, inside the same app.

What the client experiences. They download your free guide, receive a few emails, and book a call through your site. They answer your intake questions, sign the agreement, and pay. Then they open one app in your branding: this week's goal, today's prompt, a morning and evening check-in, their habit streak, the cohort chat, and the course. Before each group call, you open the client list, see who is quiet or at risk, and read their recent check-ins. After the eight weeks, you can offer 1:1 sessions on the same booking page, and their history stays on one record.

Which mistakes should body image coaches avoid when choosing software?

  • Tracking the wrong things. Fitness software defaults to weight, measurements and photos. For many body image clients, that reinforces the very focus you are trying to loosen. Choose tools where you can leave those off, and build check-ins around thoughts, feelings and actions.
  • Skipping screening. A discovery call without intake questions puts you in a hard spot if a client describes eating disorder symptoms on the call. Ask in writing first and know your referral list.
  • Storing clinical information in a coaching tool. If you are not a licensed clinician, do not keep treatment notes. If you are, use a system built for clinical records.
  • Running a group in a public social platform. An open group exposes vulnerable members to comments and screenshots. Use a closed, moderated space tied to enrollment.
  • Buying for today's offer only. A 1:1-only tool works until you launch your first cohort. Check that group programs, community and email are available before you migrate clients.
  • Underestimating setup time. Four tools mean four setups and the links between them. Count your hours as part of the cost, or have someone build it for you.

For related niches with overlapping needs, see our guides for somatic and embodiment coaches and mindset coaches.

What is our verdict?

For most body image coaches, Coachful is the best choice because the work happens between sessions, and Coachful puts daily prompts, check-ins, habits, cohort community, courses, booking, agreements and payments in one app your clients open in your branding. The free white-glove build also removes most of the setup effort.

Pick a specialist when your business matches its scenario: Quenza for a worksheet-only client app, Mighty Networks for a large community-first membership, Practice Better if you are a licensed nutrition professional who needs charting, Paperbell for simple 1:1 packages with PayPal, Kajabi for a high-volume self-paced course, and Calendly while you are still only taking discovery calls. Whichever you choose, keep the scope line clear and the tracking gentle.

Frequently asked questions

What is the best software for body image coaches?

For coaches who run programs with daily reflection and group cohorts, Coachful is our pick because it covers booking, agreements, payments, check-ins, community and courses in one app. Quenza is strong for worksheet-heavy work, and Mighty Networks fits community-first memberships. The right choice depends on whether your work is 1:1, group or course-based.

Can body image coaches work with clients who have eating disorders?

Coaching is not treatment for an eating disorder. If a client shows signs of one, refer them to a physician, therapist or registered dietitian, and only continue coaching alongside treatment if their clinician agrees. Put this in your agreement and your intake screening.

Is Coachful HIPAA compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. It is GDPR-ready and built for coaching, not clinical care.

What is Coachful's free white-glove service?

From Create > We'll build it for you, you describe what you need, such as a website, funnel, program or email sequence, and attach up to 8 links and 10 files. The Coachful team builds it inside your account, usually within about 24 hours, without inventing credentials, testimonials or prices. It does not include recording videos, logo design or ad management.

Should I track weight or progress photos with body image clients?

For most body image clients, no. Tracking appearance can keep attention on the body as an object. Check-ins about thoughts, feelings and actions usually serve the work better, and Coachful lets you build programs without using its measurement and photo features.

Do I need a separate community platform for group programs?

Not if your coaching platform includes one. Coachful creates a cohort group automatically when someone enrolls in a program, with group chat, a feed and video events. Tools like Paperbell or Calendly would need a separate community tool.

What should go in a body image coaching agreement?

State what coaching is and is not, your referral clause for eating disorder or mental health concerns, confidentiality, session terms, payment and cancellation rules. Rules can vary by location, so check with an attorney for your jurisdiction. Send it for e-signature before the first session.

How should I price a body image coaching program?

Start from your target hours per client, the value of the outcome, and what you need to earn after software and processing costs. Compare offers from coaches with similar experience, and test a price with your first cohort before raising it. Check tax obligations with an accountant.

Can I move my clients and content into Coachful?

Yes. Clients, programs and content are imported for you during onboarding, and the white-glove service can rebuild your website or funnel. You can export all client data as a ZIP at any time.

Is there a free option for body image coaches just starting?

Calendly's Free plan and Practice Better's Sprout plan cost nothing, with limits on event types and clients. Coachful has no permanent free plan but offers a free trial, which is a good way to test a full program before you commit.
