Best Software for Breathwork Coaches: 5 Picks, Ranked for 2026

Best Software for Breathwork Coaches: 5 Picks, Ranked for 2026

The best software for breathwork coaches is the tool that covers what happens between your sessions as well as the sessions themselves: a careful intake before anyone breathes hard with you, a booking page for 1:1 and group journeys, and a way to keep clients practicing at home. It is easy to end up with four or five separate tools to do that. The deciding question is simple: do you want one place for the whole client journey, or are you happy to glue a course tool, a scheduler and a payment link together?

Our pick is Coachful, ranked first here because it puts intake forms, agreements, booking, group sessions, daily practice tracking and payments behind one login, with one branded app for your clients. We make Coachful, so we have stated our ranking criteria plainly below, priced every competitor from its own pricing page as listed in October 2026, and said where another tool is the better fit. If you sell mostly recorded content, run a large community, or need practitioner-style charting, one of the other four may suit you better.

This guide is built as a decision tool. Answer five questions about your practice, use the table to see which tool fits your answers, then read the ranked sections and the cost table at 5, 15 and 40 clients.

What does a breathwork coach actually need from software?

A breathwork coach needs software that handles screening, live sessions and home practice in that order, because that is how the work runs. A typical client books a discovery call, fills in a health and intention questionnaire, signs an agreement, joins a 1:1 or group journey, and then is asked to practice a short daily pattern between sessions. Each of those steps lives in a different tool unless you choose deliberately.

Screening and scope come first

Breathwork coaching is not medical or psychological treatment, and your software should help you keep that line visible. Faster, deeper breathing styles can produce the symptoms associated with hyperventilation, such as tingling, light-headedness and muscle cramping, and the broader family of breathwork practices ranges from gentle paced breathing to intense, cathartic styles. Most facilitator trainings give you a list of health conditions to ask about before a session. Your intake form should collect those answers, store them on the client record, and make it easy to see them again before every session.

A clear scope line belongs in your agreement and on your website: you coach breathing practice for wellbeing; you do not diagnose, treat or replace care from a doctor, therapist or psychiatrist. If a client discloses a heart condition, pregnancy, a seizure disorder, a history of panic attacks or trauma symptoms that a session stirs up, refer them to a qualified professional and adjust or pause the work. Check your professional liability cover too; the US Small Business Administration lists professional liability insurance among the common policies for service businesses, and terms vary, so check with an insurance broker or attorney.

One more practical note: coaching software is generally not clinical software. If you also work as a licensed clinician and keep health records that fall under HIPAA, you need a tool that signs a business associate agreement. Coachful is not HIPAA-certified, and neither is a coaching platform the right home for clinical notes.

Live sessions, often in groups

Many breathwork coaches run a mix of 1:1 sessions, weekly group circles and occasional longer workshops. That means booking pages with buffers (longer journeys need recovery time), video links that are created automatically, reminders, and a way to sell a group seat as well as a single session.

Home practice between sessions

The results clients notice usually come from what they practice on ordinary days. Software that can assign a daily breathing habit, send a morning check-in and show you who has gone quiet is what turns a single session into a program. Our guide to somatic breathwork approaches for coaches covers the practice side; this article covers the tools.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

Which five questions should you answer before choosing?

Answer these five questions honestly and the shortlist mostly picks itself. Write your answers down before you look at any pricing page.

  1. Do you sell programs or single sessions? A four- or eight-week breathwork program with daily practice needs habits and check-ins. A practice built on one-off journeys needs mainly booking and payments.
  2. How much of your work happens in groups? Weekly circles and cohort programs need group calls, a community space and cohort chat. Mostly 1:1 work needs a strong client record.
  3. How much recorded content do you sell? If guided audio tracks and courses are your main product, a course platform carries more weight. If recordings support live work, a library inside your coaching tool is enough.
  4. Do you need practitioner-style records? If you also work in a clinical or allied-health role and write chart notes, you need practice-management software. If you coach, a client record with intake answers and session notes is what you need.
  5. How many tools are you willing to maintain? Every extra login is one more subscription, one more place for a client to get lost, and one more thing to fix when a payment fails.

Which tool fits your answers?

Use this table to map your answers to a pick. Ranking criteria: one login for the whole client journey, between-session delivery (habits, check-ins, programs), total stack cost, and setup effort, including whether someone will build it for you.

ToolBest match if your answers are...Rank
CoachfulPrograms with daily practice, a mix of 1:1 and group work, and you want one tool instead of four or five#1
KajabiRecorded courses and audio products are your main income, and live coaching is secondary#2
Mighty NetworksA large membership community with livestreamed group breathwork is the core offer#3
Practice BetterYou also hold a clinical or allied-health role and need charting and telehealth#4
Acuity SchedulingYou run mostly in-person or one-off sessions and only need booking, intake forms and packages#5

How did we rank these five tools?

We ranked them against one realistic practice: an example breathwork coach with 15 active clients, one six-week group program that runs twice a year, weekly 1:1 sessions for about half the clients, and a short daily practice assigned to everyone. That coach needs a health intake, an agreement, booking with buffers, a group call link, a daily habit, a weekly reflection, payments and a simple website.

For each tool we checked what the vendor documents on its own site and pricing page as listed in October 2026, what public reviewers report, and how many extra tools the example coach would still need. We did not run hands-on tests, and we do not quote star ratings as proof of quality; Trustpilot scores are given with their review counts as seen in October 2026, so you can judge how large each sample is.

Direct coaching-admin tools such as Paperbell, Satori and CoachAccountable were left out of this shortlist because they lack the group and home-practice features breathwork programs lean on. If you want those compared, see our Paperbell alternatives and the broader platform guide for breathwork coaches.

1. Coachful: why is it the best fit for most breathwork coaches?

Coachful is the best fit for most breathwork coaches because it covers the full path from intake to daily practice to payment in one subscription. Booking, agreements, programs with habits and check-ins, group calls, a community, courses, a website with funnels, email and an AI assistant all sit behind one coach login, and your clients use one app carrying your branding.

A laptop showing Coachful's monthly sessions calendar on a low table beside a bolster and a wool blanket
Coachful's session calendar on a laptop in a breathwork room, next to a bolster and a folded blanket.

What it is, in one paragraph. Coachful is a coaching platform built for coaches who deliver programs, not only sessions, including solo coaches growing into a small team and coaches replacing four to six separate tools. It is based in Tallinn, Estonia. It does not do clinical record-keeping, insurance billing or PayPal, it is not HIPAA-certified, and it has no permanent free plan. You can start with a free trial, and the Coachful team will build your setup for you at no cost (more on that below).

Intake, agreements and the client record

Booking pages can ask intake questions at the moment of booking, so the health screening answers arrive before the first call. Coaching agreements with e-signature go out before that first session and are stored on the client record, which is where your scope line and contraindication acknowledgment belong. The client record then pulls together goals, check-ins, habits, notes, intake answers, tags, payments and sessions, and marks each client as thriving, active, quiet or at risk. Michelle, the built-in AI assistant, can brief you before a session from that live data, which helps when you need to recheck a client's intake before a stronger practice. See coaching contracts for how agreements work.

Daily practice that clients can see

This is where Coachful separates from scheduling and course tools. You can build a multi-week program with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. For breathwork, that means a "five minutes of paced breathing" habit every morning, an evening check-in asking how the day felt, and a weekly reflection before the next group call.

On the client side, the habit sits in their branded home and app, with a visible count against a target.

Here is a short walkthrough of how check-ins are set up:

Sessions, group circles and recordings

Booking pages support availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync. Video runs on built-in calls or auto-created Zoom, Meet or Teams links. Email reminders are standard, and SMS (24 hours before) and WhatsApp (1 hour before) reminders are available once messaging is enabled. You can sell paid sessions or session credits, which suits a five-journey package.

Group work is covered by group calls and webinars, a community feed, group chat and direct messages. When a client enrolls in a program, a cohort group is created automatically, so your six-week breathwork cohort has its own space from day one. Recorded journeys and guided practices can live in courses with modules, lessons, drip and completion tracking, or in the resources library alongside downloads and videos. The group coaching features page has more detail.

Payments, website and growth

Payments run through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax. Coachful charges a 0% platform fee on those payments (since August 2026); you pay only Stripe or Razorpay processing. The section-based website builder includes a blog, custom domain, SEO settings and 30 designed homepage templates, and funnels cover booking, applications, lead magnets and checkout. Email lists, broadcasts and multi-step sequences handle follow-up after a free introductory class. If you are working toward an ICF credential, Coachful also counts coaching hours and distinct clients against ACC, PCC and MCC thresholds (ICF hour tracking).

Where Coachful falls short for breathwork

There is no wearable sync: no Garmin, Fitbit, Whoop or Oura data, and Apple Health sync is not available publicly, so heart-rate variability readings have to be entered by the client or discussed in session. The client app ships under the Coachful listing with your branding, not under your own App Store account. There is no PayPal, and Coachful is not a course marketplace, so it will not bring you buyers the way a marketplace might.

Pricing

Plans are flat monthly prices; lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats. Monthly plans cancel in one click. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.

Why Coachful stands out: a free white-glove service. On every plan, you can open Create > We'll build it for you, describe what you want, attach up to 8 reference links and up to 10 files (logo, photos, brand guide, existing copy), and the Coachful team builds it inside your own account, usually within about 24 hours. That can be a website, a funnel for a free breathwork class, a program, a course outline, an intake form or an email sequence. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not include recording your guided audio or video, logo design, ad management or ongoing marketing. One recent example: a somatic coach leaving Kajabi had the homepage and About page rebuilt and the contact form connected. Read more about the white-glove build service.

2. Kajabi: is it right if you sell recorded breathwork?

Kajabi is a strong second choice if recorded courses, guided audio programs and a paid community are your main income, because it is built around selling knowledge products rather than managing individual clients.

Kajabi homepage on desktop
Kajabi's homepage in October 2026.

Where Kajabi earns its place

Kajabi combines courses, a community, a website, funnels and email marketing in one platform. For a breathwork coach with a library of guided sessions, a beginner course and a membership, it handles the product catalog, checkout pages and launch emails well. Kajabi Payments is built in, and a single website and community come with the entry plan.

As listed in October 2026, Basic costs $179 a month ($143 a month billed annually) and includes 5 products, 2,500 contacts, 1 community, 1 website, 2 admin users and 0 AI credits. Growth is $249 a month ($199 annually) with 50 products and 25,000 contacts, and Pro is $499 a month ($399 annually). Kajabi Payments in the US charges 2.9% + $0.30 per transaction on Basic. If you use another processor (other than PayPal), Kajabi adds its own fee of 2% on Basic, 1% on Growth or 0.5% on Pro on top. The standard trial is 14 days. Trustpilot showed 3.4 from 2,347 reviews when checked.

The catch for one-to-one work

Kajabi does not offer habit tracking or daily client check-ins, and coaching is organized around products and communities rather than per-client plans. A breathwork coach who assigns a daily practice and wants to see who is keeping it up will need a separate tool or manual follow-up. Basic's 5-product limit also fills quickly if you sell a beginner course, an intermediate course, a membership and two workshop recordings.

Pick it over Coachful if most of your revenue comes from recorded breathwork courses and memberships sold to a large audience, and live 1:1 work is a small part of your week.

3. Mighty Networks: does a community-first platform suit group breathwork?

Mighty Networks suits breathwork coaches whose main offer is a large membership with livestreamed group sessions, because community, courses and events are its core.

Mighty Networks homepage on desktop
Mighty Networks's homepage in October 2026.

Built for the group room

Members join a community with courses and events, and each self-serve plan includes a monthly livestreaming allowance. For a coach running weekly live breathwork circles for dozens of members, the livestream allowance and member apps are the draw. Trials last 14 days, no credit card required, and include Growth plan features.

As listed in October 2026, Launch costs $95 a month ($79 annually) with 3 hosts, 10 moderators, 200 GB storage and 20 hours a month of livestreaming for up to 100 attendees. Scale is $215 a month ($179 annually) with 30 livestream hours and 200 attendees. Growth is $354 a month billed annually. On top of Stripe processing, Mighty Networks takes a platform fee of 2% on Launch, 1% on Scale and 0.5% on Growth and Mighty Pro. Trustpilot showed 3.3 from 219 reviews.

What it leaves out

There is no 1:1 scheduling, invoicing or contracts, and no per-client habits, check-ins or private coaching plans. A breathwork coach who also runs private sessions would need a separate scheduler and an agreement tool, which brings back the multi-tool problem. Member apps carry Mighty's branding unless you move to the custom-priced Mighty Pro plan.

Pick it over Coachful if your business is a big paid community with frequent livestreamed group breathwork, and private 1:1 coaching is rare. See also our overview of community platforms for coaches.

4. Practice Better: should you choose practitioner software?

Practice Better makes sense if you combine breathwork with a clinical or allied-health role, because it is practice-management software for wellness and nutrition practitioners, with charting and telehealth.

Practice Better homepage on desktop
Practice Better's homepage in October 2026.

Practitioner-grade intake and records

Practice Better covers scheduling, telehealth, charting, billing, programs and a client portal. Its structured approach to forms and notes will feel familiar to anyone who has worked in a clinic, and its free Sprout tier lets you trial the workflow with up to 3 clients.

Costs climb as you unlock features

As listed in October 2026: Sprout is $0 (3 clients, 100 MB), Starter is $35 a month ($25 annually) for 10 clients, Professional is $69 a month ($59 annually) for 300 clients, Plus is $99 a month ($89 annually) for unlimited clients, and Team is $155 a month ($145 annually) for 2 practitioners. Evergreen programs, portal branding, a custom URL and SMS start on Plus, so the program-led breathwork coach will likely land on the $99 tier. Paid plans come with a 14-day trial (30 days on Team). There is no website builder or funnel pages, so you still need a site and an email tool. Trustpilot showed 3.8 from 87 reviews.

Pick it over Coachful if you need chart notes and telehealth for clinical or allied-health work, or you already run your practice inside a practitioner workflow and coaching is an add-on.

5. Acuity Scheduling: is a scheduler enough on its own?

Acuity Scheduling is enough only if your breathwork practice is mostly one-off or in-person sessions and you want booking, intake forms and packages without anything else.

Acuity Scheduling homepage on desktop
Acuity Scheduling's homepage in October 2026.

Strengths for a session-based practice. Acuity offers appointment scheduling with intake forms, packages and memberships. That covers a studio-based facilitator selling single journeys and five-session packs, and the intake form handles basic screening questions. It connects to your own Stripe, Square, PayPal or Venmo account, and no Acuity fee on payments is mentioned.

Price as listed in October 2026. Starter is $20 a month ($16 annually) for 1 calendar; Standard is $34 a month ($27 annually) for up to 6 calendars; Premium is $69 a month ($55 annually) for up to 36 calendars. Text reminders start on Standard, and a HIPAA business associate agreement is only on Premium. Every plan has a 7-day free trial with no card. Trustpilot showed 3.6 from 687 reviews.

Gaps to plan around. There is no client portal for programs, habits, check-ins or messaging, and no courses, community, website builder or email marketing. Anyone running a breathwork program will need several more tools alongside it. Our guide to scheduling software for coaches compares more booking tools.

Pick it over Coachful if you only need a booking page for in-person sessions, you already have a website and email tool you like, and you do not assign home practice.

How do the five tools compare feature by feature?

Coachful is the only tool of the five that covers every row below without an add-on. The matrix uses vendor documentation as listed in October 2026; "partial" means the feature exists but with a notable limit.

ToolIntake on bookingE-sign agreements1:1 bookingGroup calls and communityDaily habits and check-insCourses and audio libraryWebsite and funnels
CoachfulYesYesYesYesYesYesYes
KajabiNoNoPartialYesNoYesYes
Mighty NetworksNoNoNoYesNoYesPartial
Practice BetterYesNot listedYesPartialPartialPartialNo
Acuity SchedulingYesNoYesNoNoNoNo

Two notes on the "partial" cells. Kajabi organizes coaching as products and communities rather than per-client plans. Practice Better's evergreen programs and portal branding start on the Plus tier, and "not listed" means the vendor facts we checked did not document the feature, so confirm it during a trial.

What will you pay at 5, 15 and 40 clients?

Total cost depends on how many other tools you add, so the table shows each tool's own price plus what you would still need to buy for a program-led breathwork practice. Monthly prices as listed in October 2026; annual billing is cheaper for most vendors.

Tool5 clients15 clients40 clientsStill needed for a breathwork program

To make the "still needed" column concrete, here is an example stack for a coach on Acuity: the scheduler, a separate website builder, an email tool, an e-signature tool and a habit app. Each piece may be cheap, but four or five subscriptions add up, and every handoff between them is a place where a client can drop off. Our guide to e-signature software for coaches shows what the agreement piece alone costs.

How would you set up a breathwork practice in Coachful, step by step?

A breathwork practice can be running in Coachful in an afternoon, or you can ask the team to build it. Here is an example setup for a six-week group program plus 1:1 journeys, with what the client experiences at each step.

  1. Write the intake. Add booking intake questions covering intentions, previous breathwork experience and the health conditions your training lists as contraindications, plus a question about current medical or mental-health care. The client answers them while booking the discovery call, and you see the answers on their record.
  2. Send the agreement. Create a coaching agreement that states your scope (coaching, not treatment), your referral policy, cancellation terms and a line confirming the client has disclosed relevant health conditions. The client signs it electronically before the first call.
  3. Set up session types. Create a 30-minute discovery call, a 75-minute 1:1 journey with a 30-minute buffer for integration, and a weekly 60-minute group circle with an auto-created video link. The client books in their own time zone and gets email reminders, plus SMS or WhatsApp if you enable messaging.
  4. Build the six-week program. Add a weekly goal (for example, "notice your breath at three moments a day"), daily tasks, a five-minute morning breathing habit and an evening check-in. The client opens the app each morning, sees the day's practice, ticks the habit and builds a streak.
  5. Add your recordings. Upload guided practices as course lessons with drip, so week two's practice unlocks in week two. The client finds them in their branded home, next to the program.
  6. Open the cohort. When clients enroll, the cohort group is created automatically. The client joins a group chat with the other participants and sees posts from you before each circle.
  7. Take payment. Connect Stripe, create the program offer with a payment plan option, and add a coupon for returning clients. The client pays by card, Apple Pay or Google Pay and receives an invoice.
  8. Publish your site and funnel. Start from a wellness template, add a free introductory class funnel and a three-email follow-up sequence that complies with CAN-SPAM rules if you email US contacts. The visitor signs up for the free class, gets the replay and is invited to the next cohort.
  9. Watch the client list. Check who is thriving, active, quiet or at risk each week. A client who has gone quiet after an intense session is a good reason for a personal message, and sometimes a referral.

For the website, a calm wellness template such as Tidewater is a reasonable starting point for breathwork.

Which red flags and switching costs should you watch for?

The biggest red flags are tools that hide your intake data, take a cut of every sale, or lock group and 1:1 work into separate systems. Check these before you commit.

  • Intake answers that live in a form tool, not the client record. If you have to search a spreadsheet to recheck a client's health answers before a strong session, you will eventually skip it.
  • Platform fees on top of processing. A 2% platform fee looks small until a 20-person cohort pays for a six-week program. Read the fee table, not only the monthly price.
  • Per-client pricing that punishes group work. Tools that charge per active client get expensive when one cohort adds 20 people at once.
  • Clinical claims you cannot back up. Avoid any template or tool that encourages you to describe breathwork as treating anxiety, trauma or a medical condition. Keep your copy to wellbeing and practice, and keep testimonials honest.
  • No data export. Ask how you get your client list, notes and form responses out. Coachful exports the full client record as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses), and courses can be exported too.

Switching costs. Moving means re-creating intake forms, re-signing agreements for active clients, rebuilding programs and redirecting your domain. Plan the move between cohorts, not in the middle of one. In Coachful, clients, programs and content are imported for you during onboarding, and the white-glove team can rebuild a site you are leaving, as it did for the somatic coach leaving Kajabi.

If you are tracking hours for a coaching credential, the ICF Core Competencies are a useful reference for how your sessions are structured, whatever breathwork method you were trained in.

What is the verdict?

For most breathwork coaches, Coachful is the best choice because it puts screening, agreements, sessions, group cohorts, daily practice and payments in one place, with a team that will build the setup for you. Kajabi is the better pick if recorded courses are your business, Mighty Networks if a large livestreamed community is, Practice Better if you also need clinical charting, and Acuity Scheduling if you only need a booking page for in-person work.

Start with the five questions. If your answers point to programs, mixed group and 1:1 work, and fewer tools, start a free trial and ask the team to build your first program. Frequently asked questions

What is the best software for breathwork coaches?

For coaches who run programs with daily practice and a mix of 1:1 and group sessions, Coachful is our pick, because it covers intake, agreements, booking, habits, check-ins, community and payments in one login. Kajabi suits course-led businesses, and Acuity Scheduling suits session-only practices.

Can breathwork coaches use coaching software to store health information?

You can store intake answers about contraindications on a coaching platform, but coaching software is generally not built for clinical records. Coachful is not HIPAA-certified and does not sign a business associate agreement. If you are a licensed clinician keeping protected health records, use a tool that offers a BAA.

Is breathwork coaching the same as therapy?

No. Breathwork coaching supports wellbeing and practice; it does not diagnose or treat medical or mental-health conditions. State that in your agreement and refer clients to a doctor, therapist or psychiatrist when something is outside your scope.

What should a breathwork intake form ask?

Ask about intentions, previous breathwork experience, current medical or mental-health care, and the health conditions your training lists as contraindications. Ask for consent to proceed and an agreement to tell you if anything changes. Store the answers where you will see them before every session.

Can I run live group breathwork sessions in Coachful?

Yes. Coachful has group calls and webinars on built-in video or auto-created Zoom, Meet or Teams links. Enrolling in a program creates a cohort group automatically, with group chat and a community feed.

Can clients track a daily breathing practice?

Yes. You can assign a daily breathing habit, morning and evening check-ins and weekly goals inside a program. Clients see their habit count and streak in your branded app, and you see their activity on the client record.

Does Coachful sync with heart-rate or HRV wearables?

No. Coachful does not sync with Garmin, Fitbit, Whoop or Oura, and Apple Health sync is not available publicly. Clients can report readings in a check-in if you ask for them.

What is Coachful's free white-glove service?

On every plan, you can ask the Coachful team to build a website, funnel, program, course outline, form or email sequence inside your account, usually within about 24 hours. You can attach reference links and files, and the team leaves gaps for anything it cannot verify, such as credentials or prices. It does not include recording videos, logo design or ad management.

How much does breathwork software cost?

As listed in October 2026, single-purpose schedulers start around $20 a month, practitioner tools from $0 for 3 clients or $35 for 10, community platforms from $95 and course platforms from $179, before the extra tools each one needs. For a like-for-like view of Coachful's plans, see the cost table above.

How do I switch from another platform without losing clients?

Export your client list, forms and content first, then move between cohorts rather than mid-program. In Coachful, clients, programs and content are imported for you during onboarding, and the white-glove team can rebuild your website.
