Best Software for Emotional Intelligence Coaches: Top 5

Best Software for Emotional Intelligence Coaches: Top 5

The best software for emotional intelligence coaches is the tool that carries a client from a first assessment debrief to daily practice between sessions, because that is where emotional skills actually change. Booking a call is the easy part. The harder question is this: when your client notices their jaw tighten in a Tuesday meeting, does your software give them somewhere to log it, reflect on it and bring it to the next session? If the answer is "a separate app" or "nowhere", the tool is only doing half the job.

Our pick is Coachful, because it covers every stage of an emotional intelligence (EI) coaching engagement in one login: a website and funnel to attract clients, booking and an e-signed agreement to enroll them, programs with daily check-ins and habits to deliver the work, and a community plus status tracking to retain them. We make Coachful, so weigh that, and read the four alternatives below with the same care. Each one does something well, and each section ends with the situation where you should pick it instead.

This guide is organized around the client journey rather than a feature list. You will see what each stage needs, which tool covers which stage, the ranked tools, two stack recipes with costs at 5, 15 and 40 clients, and how to move your practice over without losing anyone. If you are still shaping the offer itself, start with our guide on how to start an emotional intelligence coaching business.

What does an emotional intelligence client journey need from software?

It needs four things in sequence: a way to be found, a clean enrollment, a structure for daily practice, and a reason to stay. EI coaching is skill building around self-awareness, self-regulation, empathy and relationship management, the broad strands described in the research on emotional intelligence. Skills like these grow through repetition, so the software has to support what happens between calls, not only the calls.

Before the stages, one scope line that belongs in your agreement and your software setup. Emotional intelligence coaching is not therapy and not treatment. If a client describes persistent low mood, panic, trauma symptoms, self-harm or anything that sounds clinical, refer them to a licensed mental health professional (the US National Institute of Mental Health keeps a page on how to find help). None of the coaching tools below is built for clinical records, and Coachful is not HIPAA-certified.

Attract: assessments, content and a clear offer

Most EI coaches win clients with a free resource (a short self-reflection quiz, a guide to naming emotions, a webinar on reacting less at work) and a discovery call. Software needs: a website, a lead-magnet page, an email sequence that follows up, and a booking link. If you sell to companies, you also need a page that explains team work, for example programs grounded in Druskat and Wolff's team emotional intelligence research.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

Enroll: the call, the agreement, the payment

The discovery call converts into a package or program. Software needs: intake questions on the booking form, a coaching agreement with e-signature that states scope and confidentiality, and payment (one-time, plan or subscription). Many EI coaches also run a licensed assessment at this stage and debrief it in session one; our guide to EI assessment in coaching covers how to choose one. The software does not need to host the assessment itself, but it needs a private place to store the report.

Deliver: daily practice between sessions

This is where EI work lives or dies. Clients practice noticing triggers, pausing, naming emotions and repairing conversations. Software needs: morning and evening check-ins, a reflection journal, habits with streaks, worksheets, and a coach view that shows who is engaging. Our article on emotional regulation techniques for coaches lists exercises you can turn into daily tasks.

Retain: community, progress and the next offer

Clients who finish a 12-week program often want a lighter follow-on: a monthly group call, a peer community, an advanced course. Software needs: a community space, group calls, visible progress, an early warning when a client goes quiet, and an easy way to sell the next step.

Which tool covers which stage?

Only one of the five covers all four stages natively; the others each cover one or two well. Here is how the coverage looks, based on what each vendor documents as of October 2026.

To test each option against real work, picture one example practice: an EI coach with 15 clients, most of them mid-level managers in a 12-week 1:1 program, plus one six-week group cohort for a client company. Each week this coach runs about 15 sessions and one group call, sends a reflection prompt every evening, and needs to see who stopped logging. Every ranking judgment below asks: how many tools would this coach need, and what would they pay?

1. Coachful: the whole EI client journey in one app

A laptop in a reading nook showing a client goal page with daily tasks, habits and reflection tabs
Coachful's demo client goal page, with linked tasks, habits and daily and weekly reflection tabs, on a laptop beside a mood journal.

Coachful ranks first because it is the only tool here that handles attract, enroll, deliver and retain without a second subscription. Coachful is a coaching platform built for coaches who deliver programs, not just sessions: solo coaches growing into a small team and coaches replacing four to six tools. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login; the client gets one branded app.

What daily EI practice looks like inside it

The core of an EI program is repetition, and Coachful's programs are built around it. You set up a multi-week program with weekly goals and daily tasks, then attach habits and morning and evening check-ins. A morning check-in might ask a client to rate their energy and name one interaction they expect to be hard. The evening check-in asks what happened, what they felt in their body, and what they did next. Habits like "two-minute pause before replying to a tense email" track streaks, and goals show progress bars.

On the coach side, each client record pulls goals, check-ins, habits, notes, intake answers, tags, payments and sessions into one place, and shows a status of thriving, active, quiet or at risk. For an EI coach that status matters: a manager who stops checking in during a stressful quarter is often the one who most needs a nudge. Michelle, the built-in AI assistant, briefs you before each session from that live data and can summarize recorded sessions. If you are working toward an ICF credential, Michelle can also give optional private feedback on your own coaching against ICF Core Competencies 3 to 8, and Coachful counts your hours and distinct clients against ACC, PCC and MCC thresholds (ICF hour tracking).

Between sessions, you can also switch on the AI Coach for selected clients: an AI version of you, configured by you, that clients can chat with when they want to rehearse a difficult conversation or sort out what they felt. You decide who has it and how it is set up. Read more on the AI coaching assistant page.

Here is a short walkthrough of how check-ins are built and what the client sees:

Enrollment, agreements and payments

Booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync and built-in video or auto-created Zoom, Meet or Teams links. Intake questions sit on the booking form, so you can ask what prompted someone to look for EI coaching before the discovery call. Reminders go out by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled.

When a client says yes, Coachful sends a coaching agreement with e-signature before the first call and stores it on the client record. That is the right place for your scope line about coaching versus therapy and your referral clause. Our coaching contracts page shows the flow. Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, coupons, Apple Pay and Google Pay, with an invoice per transaction. Coachful charges a 0% platform fee; you pay only Stripe or Razorpay processing.

Groups, courses and the follow-on offer

For the company cohort in our example, enrolling clients in a program automatically creates a cohort group with a feed, group chat and video events, so the six-week team program has its own space. You can add a course (modules, lessons, drip release, completion tracking) for the theory, such as a module on naming emotions precisely, and bundle it with the program. After the program, a lighter monthly membership with group calls keeps graduates practicing. See group coaching software for more on cohorts.

For attracting clients, the section-based website builder includes a blog, custom domain, SEO settings and 30 designed homepage templates, plus booking, application, lead-magnet and checkout funnels and email sequences with triggers, delays and branching. A free "how reactive are you at work?" guide can feed a five-email sequence that ends in a discovery call link.

What Coachful does not do

Coachful is not HIPAA-certified and offers no BAA, so it is not for clinical record-keeping or insurance billing; that fits coaching, but it rules out therapists using it as an EHR. It does not take PayPal. There is no permanent free plan. The client app runs under the Coachful listing with your branding, not under your own App Store account. It has no Salesforce or HubSpot integration, which matters if a corporate buyer insists on one. It does not host licensed EI assessments, so you upload the report to the client's documents instead.

Why Coachful stands out: a free white-glove service. On every plan, you can open Create > We'll build it for you · FREE, describe what you need (a website, a lead-magnet funnel, a 12-week EI program, an email sequence, a worksheet) and attach up to 8 reference links and 10 files. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. A leadership coach with a Squarespace renewal days away, for example, got one clean homepage with a repeated "talk with me" button. It does not cover recording videos, logo design or ad management. Details are in our post on the free white-glove service.

2. Quenza: is it the best worksheet tool for reflective EI work?

For pure between-session exercises, Quenza is the strongest specialist here. It is a client-engagement tool for coaches and therapists, built around activities, worksheets, programs, chat and a client app. EI coaches who rely on structured reflection sheets (trigger logs, emotion-labeling exercises, values cards) will find the format natural.

Quenza homepage introducing its client engagement tools for coaches and therapists
Quenza's homepage in October 2026.

Where it fits an EI practice

You build activities and sequence them into programs that clients complete in the app, and you can message them in between. For a coach who already has booking and payments elsewhere, Quenza can be the delivery layer. Its client caps are generous above the entry tier, which keeps cost flat as a roster grows.

Price as listed in October 2026: Spark $25/mo ($20/mo annual) for 1 professional and 10 clients; Growth $50/mo ($40/mo annual) for 250 clients; Impact $125/mo for 400 clients; Collective $160/mo for up to 3 professionals and 500 clients. A 30-day free trial with no card is listed.

What you would still need

Quenza does not process client payments today; invoicing and digital products are marked as planned on its pricing page. Its September 2026 profile also lists no scheduling or video calls. That means an EI coach still needs a booking tool, a payment processor, a contracts tool and a website. It has no community feature for a cohort, and no funnels or email marketing to attract clients. Trustpilot showed 4.3 from 8 reviews when we looked on 25 October 2026, a small sample.

Pick it over Coachful if you already run a website, booking and payments you are happy with, and you only want a dedicated worksheet and activity app for clients, ideally one you also use in a clinical or therapy-adjacent setting governed by its own compliance requirements.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

3. Kajabi: built for EI courses at scale

Kajabi suits the EI coach whose business is mostly content: a signature course, a paid community and a large email list, with 1:1 coaching as the premium tier. It is a course, community, website, funnel and email platform for selling knowledge products.

Kajabi homepage promoting its course, community and website platform
Kajabi's homepage in October 2026.

Its strengths are on the attract and retain side. You can build a sales page, run a lead-magnet funnel, email your list, deliver a self-paced "EQ at work" course and host a community for graduates. For a coach with an existing audience of thousands, that is a sensible shape.

Price as listed in October 2026: Basic $179/mo ($143/mo annual) with 5 products, 2,500 contacts and 0 AI credits; Growth $249/mo ($199/mo annual) with 50 products and 25,000 contacts; Pro $499/mo ($399/mo annual). Kajabi Payments in the US charges 2.9% + $0.30 on Basic; using a processor other than Kajabi Payments or PayPal adds a 0.5% to 2% Kajabi fee on top. The standard trial is 14 days per its help center.

The limits show up in delivery. Kajabi has no habit tracking or daily client check-ins, and coaching is organized as products and communities rather than per-client plans, so the evening reflection loop that drives EI change has nowhere natural to live. It has no coaching agreements with e-signature. An EI coach running 1:1 work on Kajabi would typically add a booking tool and a separate tracking app. Trustpilot showed 3.4 from 2,347 reviews on 25 October 2026.

Pick it over Coachful if your revenue comes mainly from a self-paced EI course sold to a large list, 1:1 clients are a small sideline, and you want Kajabi's marketing tooling at the center.

4. CoachAccountable: a back office for the 1:1 roster

CoachAccountable is a long-running coaching back office: sessions, action plans, metrics, worksheets, courses, invoicing and agreements. It is a direct substitute for an all-in-one coaching platform on the delivery and admin side.

CoachAccountable homepage describing its coaching management software
CoachAccountable's homepage in October 2026.

For EI coaches, the metrics and action plans are the interesting part. You could track a self-rated "reactivity score" weekly and assign actions like "name the emotion before responding in one meeting a day". Worksheets handle structured reflection, and agreements plus invoicing cover enrollment admin. Public reviewers on Trustpilot rate it highly: 4.8 from 47 reviews on 25 October 2026.

Price as listed in October 2026: Starter $20/mo for 2 active clients; Level 1 $40/mo for 5; Level 2 $70/mo for 10; Level 3 $120/mo for 20; Level 4 $250/mo for 50; Level 5 $400/mo for 100. A 30-day trial with no card and no limits is listed.

The weak spots are the edges of the journey. Pricing is per active client, so a corporate cohort of 25 participants on top of a 1:1 roster jumps you up the tiers quickly. Its September 2026 profile lists no native mobile app and no landing pages, website or marketing automation, so attracting clients happens elsewhere. It also states it is not HIPAA compliant, the same position as every coaching tool here. If you are comparing similar tools, see our CoachAccountable alternatives roundup.

Pick it over Coachful if you coach a small, stable 1:1 roster, care most about granular metrics and action-plan tracking, already have a website you like, and do not run group cohorts.

5. Calendly: does a scheduler belong on this list?

Yes, but only as one part of an assembled stack. Calendly is a scheduling tool: booking pages, reminders and workflows, and paid bookings. Many new coaches start with nothing but a booking link, which is why it earns the fifth spot.

Calendly homepage promoting its scheduling and booking pages
Calendly's homepage in October 2026.

It does one job well, and its free plan lets a brand-new coach take discovery calls at no cost. You connect your own Stripe or PayPal for paid bookings and pay their rates; Calendly documents no fee of its own on payments.

Price as listed in October 2026: Free with 1 event type and 1 calendar connection; Standard $10 per seat per month on annual billing with unlimited event types; Teams $16 per seat per month on annual billing. Monthly prices were not shown on the pricing page when we checked.

Everything past the booking is missing. Calendly has no client records, notes, programs, habits or check-ins, no intake questionnaires beyond booking questions, and no contracts or invoicing. For an EI engagement, that means the agreement, the reflection practice and the follow-up all live in other tools. Trustpilot showed 4.1 from 714 reviews on 25 October 2026.

Pick it over Coachful if you only coach a handful of clients by the session, need nothing but a booking link today, and want to delay any platform decision until your offer is clearer. Our scheduling software for coaches roundup compares more options.

How do the five compare feature by feature?

What does each stack cost at 5, 15 and 40 clients?

An all-in-one stack costs one subscription; an assembled stack usually costs three or four, and the gaps between them become your admin time. Here are the two recipes most EI coaches end up choosing between, priced from vendor pages as listed in October 2026.

Recipe A: all-in-one

One Coachful subscription covers the website, funnels, email, booking, agreements, payments, programs with check-ins, courses and community. Add only Stripe or Razorpay processing fees. If you want help getting started, the white-glove build can set up your site, a lead-magnet funnel and your first program.

Recipe B: assembled

Kajabi Basic for website, email, course and community; Calendly Standard for booking; Quenza for daily reflection activities. This leaves out an e-signature tool for agreements, which you would add on top (see our e-signature software comparison). An alternative assembled stack swaps Quenza for CoachAccountable, which adds agreements and invoicing but no website.

Stack5 clients15 clients40 clients
Coachful (all-in-one)Lite: $29/month for up to 5 clientsSolo: $49/month for up to 20 clientsPro: $99/month with unlimited clients
Kajabi Basic + Calendly Standard + Quenza$179 + $10 + $25 = $214/mo$179 + $10 + $50 = $239/mo$179 + $10 + $50 = $239/mo
Kajabi Basic + Calendly Standard + CoachAccountable$179 + $10 + $40 = $229/mo$179 + $10 + $120 = $309/mo$179 + $10 + $250 = $439/mo
Calendly Free + Quenza (delivery only, no website or payments)$0 + $25 = $25/mo$0 + $50 = $50/mo$0 + $50 = $50/mo

Notes on the math: Calendly Standard is the annual-billing per-seat figure; Kajabi and Quenza are monthly list prices; CoachAccountable tiers are Level 1 (5), Level 3 (20) and Level 4 (50). All figures exclude payment processing and any e-signature tool. The cheapest row looks attractive, but it has no way to take payment, sign an agreement or attract a client, so most coaches outgrow it within months.

The hidden cost in Recipe B is the seams. A client books in one tool, signs in another, pays in a third and logs reflections in a fourth, and you reconcile them by hand. For an EI coach whose value is helping people notice patterns, losing the pattern in your own data is a real cost.

How do you move your practice over without losing clients?

Move in a quiet week, move one stage at a time, and tell clients what changes for them before it changes. Here is an order that keeps sessions running.

  1. Export everything first. Download client lists, notes, signed agreements and payment history from your current tools. Keep the files somewhere private; EI session notes often contain sensitive personal detail.
  2. Rebuild the program before inviting anyone. Recreate your check-in questions, habits and worksheets. In Coachful, clients, programs and content are imported for you during onboarding, and the white-glove build can rebuild the website and funnels.
  3. Re-sign agreements only at renewal. Keep existing signed agreements and upload them to the client record. New agreements go out through the new system as each package renews.
  4. Switch booking last. Keep your old booking link live until every future session is recreated in the new calendar, then redirect it.
  5. Send a short client note. Explain the one new login, where their reflections now live, and that past notes are safe. Invite them to try one evening check-in that week.
  6. Run both systems for one billing cycle. Cancel the old tools only after every active subscription has billed successfully on the new processor.

If you later leave Coachful, a full client data export as a ZIP includes the roster, notes, check-ins, goals, habits, sessions and form responses, and courses can be exported too.

Which software should an EI coach choose?

Choose Coachful if you run programs with daily practice, want one login for the whole journey, and would rather spend setup time coaching than wiring tools together. It covers every stage our example coach needs, from the lead-magnet funnel to the evening check-in to the graduate community, and the free white-glove build removes most of the setup work.

Choose Quenza if you only need a worksheet and activity app beside tools you already like. Choose Kajabi if you are a course business first. Choose CoachAccountable for a small, metrics-heavy 1:1 roster without groups. Choose Calendly if you are just starting and need only a booking link this month. For a wider view, see our roundups of the best platform for emotional intelligence coaches and the best app for emotional intelligence coaches, and the Coachful page for executive coaches if your EI clients are mostly leaders.

To start, open a free trial, request a white-glove build of your site and first program, and read our primer on emotional intelligence coaching models and evidence while it is being built.

Frequently asked questions

What is the best software for emotional intelligence coaches?

For most EI coaches running programs, Coachful, because it covers attracting, enrolling, delivering and retaining clients in one app, with daily check-ins and habits for between-session practice. Quenza is a strong worksheet tool if you already have the rest of your stack. Kajabi suits course-first businesses.

Can I run EI assessments inside coaching software?

Most licensed EI assessments are delivered through their own publisher's system, so coaching software usually stores the report rather than running the test. In Coachful you can upload the report to the client's documents and build your own reflection forms and worksheets around it.

Is emotional intelligence coaching the same as therapy?

No. EI coaching builds skills like self-awareness and regulation with clients who are functioning well; it does not diagnose or treat. State that in your agreement and refer clients to a licensed mental health professional when clinical concerns come up.

Is Coachful HIPAA-compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not suitable for clinical records or insurance billing. It is GDPR-ready and built for coaching, not therapy.

What is Coachful's free white-glove service?

On every plan, you can ask the Coachful team to build a website, funnel, program, course outline, email sequence, worksheet and more inside your own account, usually within about 24 hours. You attach references and files; nothing is invented, and gaps are left for you to fill. It does not include recording videos, logo design or ad management.

How should I structure between-session practice for EI clients?

Keep it short and daily rather than long and weekly. A morning check-in that names one expected challenge, an evening reflection on what happened and what was felt, and one small habit with a streak give clients enough repetition without overload.

Do I need a separate tool for group EI workshops?

Not with an all-in-one platform. In Coachful, enrolling clients in a program creates a cohort group with a feed, group chat and video events. With Calendly or Quenza you would need a separate community or video tool.

Can corporate clients pay by invoice?

In Coachful you can send manual invoices as well as the automatic invoice per transaction, which suits companies paying for a team cohort. Payments run through your own Stripe or Razorpay account.

How do I track ICF coaching hours from EI work?

Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. With other tools you would usually track this in a spreadsheet.

Which tool is cheapest for a brand-new EI coach?

Calendly's free plan plus a Stripe payment link has no subscription cost (only processing fees), but gives you no agreements, records or practice tools. Compare that with the entry tier of an all-in-one platform and the time you would spend wiring tools together before deciding.
