Best Software for VIP Day Coaches: 12 Options Ranked

Best Software for VIP Day Coaches: 12 Options Ranked

The best software for VIP day coaches has to handle a sale that looks nothing like a weekly coaching package. One client applies, pays a large fee (often in instalments), signs an agreement, completes pre-work, spends a half or full day with you, and then needs follow-through so the plan you built together actually happens. So the deciding question is this: do you want one system that carries the client from application to the last follow-up check-in, or are you willing to stitch a booking tool, a checkout, a contract app and an email list together yourself?

Our pick is Coachful, because it covers that whole arc in one login: an application funnel, checkout with payment plans, an e-signed coaching agreement, intake questions on booking, the day itself on built-in video or an auto-created Zoom link, and a follow-up program with weekly goals and check-ins that the client opens in your branded app. We make Coachful, so weigh that, and read the other 11 entries closely. Several of them are a better fit for a specific situation, and we say which.

If you are still designing the offer itself, start with our guides to VIP day formats and what to charge and how to run a coaching VIP day from agenda to follow-through. This article is about the software that sits underneath.

What does a VIP day coach actually need from software?

A VIP day coach needs software that protects a high-ticket sale before the day and keeps momentum after it. The day in the middle is the easy part; the risk sits in the weeks on either side.

Here is how the work usually breaks down:

  • Before the sale: a sales page or application form, a short fit call, and a clear price with an optional payment plan or deposit.
  • Before the day: a signed agreement covering what is included, rescheduling and refunds; a booking for a four to eight hour block with buffers around it; intake questions and pre-work so you do not spend the first two hours on background.
  • On the day: a video room or an in-person venue, notes, and ideally a recording you can summarize.
  • After the day: a written plan, two to four follow-up calls or check-ins over 30 to 90 days, and a natural path into a retainer or group program.

Two scope points matter more for intensives than for weekly coaching. First, the agreement carries a lot of weight because the money changes hands up front. The ICF Code of Ethics expects coaches to make sure clients understand the nature of coaching, confidentiality, financial arrangements and the other terms of the agreement before or at the first meeting, which is exactly what a pre-day contract does. Our e-signature guide for coaches covers the contract side in depth. Second, a long, intense day can surface things that are not coaching. A VIP day is not therapy or medical care; if a client raises a mental health crisis, trauma that needs treatment or a medical question, pause and refer them to a licensed professional. How you handle VAT, sales tax or income from payment plans varies by country, so check with an accountant or attorney before you set terms.

Quick picks: which tool wins which VIP day situation?

We ranked on four things: one login for the whole client journey, delivery between sessions and after the day, total stack cost, and setup effort (including whether someone will build it for you).

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

How did we rank these 12 tools?

We ranked them against one realistic practice, not a feature checklist. Picture a business coach who runs two VIP days a month at a premium fee, keeps each client in a 60-day follow-up, and so has around 15 active clients at any time, plus a small alumni group that meets monthly. That coach needs an application funnel, payment plans, signed agreements, long booking blocks, pre-work, recordings, and a follow-up structure that runs without a weekly email from them.

For each tool we scored:

  1. One login for the whole client journey. How many of those steps live in the tool, and how many need a second or third app.
  2. Delivery between and after the day. Can the client see their plan, tasks, habits and check-ins somewhere other than your inbox?
  3. Total stack cost. The listed price of the tool plus whatever you would add to fill its gaps, at about 15 active clients.
  4. Setup effort. How long it takes to get a sales page, checkout and contract live, and whether the vendor will build any of it for you.

We based this on what each vendor documents on its own site and pricing page as listed in October 2026, plus vendor profile data from September 2026 where marked, and what public reviewers report. We did not run paid VIP days through every tool. Prices are in US dollars, before card processing fees.

1. Coachful: best overall for VIP days that need follow-through

A laptop showing a monthly session calendar and a tablet showing an intakes list on an oak table in a meeting suite
Coachful's session calendar on a laptop and its Intakes list on a tablet, in a meeting suite set up for a VIP day.

Coachful wins when the VIP day is the start of a result, not a one-off event, and you want the sale, the paperwork, the day and the follow-up to live in one place. It is a coaching platform where one membership covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. You have one login; your client has one branded app.

Selling the day. Build an application funnel or a booking funnel with a checkout at the end, using the section-based website builder and about 25 funnel templates. Checkout runs through your own Stripe Connect or Razorpay account and handles one-time payments, payment plans, order bumps (an extra follow-up month, say), coupons, refunds, Apple Pay, Google Pay and Stripe Tax. Coachful takes a 0% platform fee since August 2026, so you pay only Stripe or Razorpay processing. Pixels and UTM tracking sit on every funnel if you run ads, and a link-in-bio page can sell the day directly. Our funnel software page shows the templates.

Paperwork before the day. Coaching agreements with e-signature go out before the first call and are stored on the client record, so you never start a high-ticket day on a handshake. See coaching contracts for how they work.

Booking the block. Booking pages take availability rules, buffers and minimum notice, which is what keeps a six-hour intensive from being double-booked or squeezed between calls. Time zones are detected for the client, calendars sync two ways with Google, Apple/iCloud and Outlook, and each session gets built-in video or an auto-created Zoom, Google Meet or Teams link. Intake questions are asked at booking, and the Intakes page tracks upcoming calls and conversions from your fit calls. Reminders go by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled.

On the day. Michelle, the built-in AI assistant, works from your live practice data: it briefs you before the session from the client's intake answers, notes and goals, and summarizes recorded sessions afterwards. If you want private feedback on your own coaching against ICF Core Competencies 3 to 8, it can do that too. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits.

What the client experiences after the VIP day

This is where Coachful pulls ahead of most of the list. Instead of a PDF summary that gets lost, you enroll the client in a short follow-up program: weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. The client opens it in your branded app, sees their next session and any pre-session work, and ticks things off. On your side, each client record shows goals, check-ins, habits, notes, intake answers, payments and sessions, with a status of thriving, active, quiet or at risk, so you know who needs a nudge before the 30-day call. If you run VIP days for several people in the same month, enrolling them in a program creates a cohort group automatically, and the community feed, group chat and video events give your alumni somewhere to go next. Email sequences with triggers, delays and branching handle the upsell into a retainer. If you want clients to have support between calls, you can configure an AI Coach, an AI version of you that selected clients can chat with.

Here is a short walkthrough of how a client journey is laid out in Coachful:

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you" and describe what you want: a VIP day sales page, an application funnel, the follow-up program, an intake form, an email sequence or a full website. Attach up to 8 reference links and up to 10 files such as your logo, brand guide or existing copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. It does not cover recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

Where Coachful falls short for VIP day coaches

Coachful does not take PayPal, so a buyer who insists on PayPal needs another route. It has no routing forms that pick a host from form answers, no Salesforce or HubSpot integration, and no multi-stage deal board for a large sales team. It is not HIPAA-certified and is not for clinical records or insurance billing. Your client app ships under the Coachful listing with your branding, not under your own App Store account. The affiliate program tracks links, clicks, conversions and revenue, but you record payouts yourself.

In short: Coachful is a coaching platform for coaches who deliver programs, not just sessions, including solo coaches growing into a small team and coaches replacing four to six tools. It is not a clinical record system, a course marketplace or a general website builder. To start, take a free trial and ask the team to build your VIP day funnel or website with the white-glove service. Plans are flat monthly, lower plans cap the number of clients, Pro is unlimited, and monthly plans cancel in one click (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients).

2. HoneyBook: when the VIP day is sold like a client project

Picture a brand strategist or business coach who runs in-person VIP days at the client's office, sends a custom proposal for each one, and invoices in two parts. That is HoneyBook's home ground. It is a client-management CRM for service businesses, built around proposals, contracts, invoices, a scheduler and a client portal.

Homepage of HoneyBook, a client management CRM for service businesses
HoneyBook's homepage in October 2026.

As listed in October 2026, Starter is $29/mo billed annually (the monthly price is not shown) with unlimited clients and projects and 2 live lead forms. Essentials is $59/mo ($49/mo annual) for up to 2 team members and 10 lead forms, and Premium is $129/mo ($109/mo annual) with unlimited team members. There is a 30-day free trial with no credit card. Payments must run through HoneyBook's own processing; the card rate is shown as 2.7% + 10¢ in the FAQ but 2.9% + 25¢ in the plan comparison, so confirm before you sign, and ACH is 1.5%. Instant deposit costs 1%. Trustpilot showed 4.1 from 748 reviews when we checked in October 2026.

The gaps matter for VIP days. The scheduler and automations are not on Starter, so you need Essentials for booking. There is no coaching delivery: no programs, courses, habits, check-ins or community, which means the 30 days after the intensive live in email. Vendor profile data from September 2026 also notes that prices rose in February 2025.

Pick it over Coachful if your VIP days are closer to consulting engagements with a custom proposal each time, you want ACH payments, and the follow-up is one call rather than a program.

3. Kajabi: for coaches whose VIP day sits above a course business

Kajabi suits the coach with an established audience and a library of courses, where a VIP day is the premium rung at the top of the ladder. It is a course, community, website, funnel and email platform for selling knowledge products, so the sales page and checkout for your intensive sit beside everything else you sell.

Homepage of Kajabi, a course, community and website platform
Kajabi's homepage in October 2026.

Pricing as listed in October 2026: Basic is $179/mo ($143/mo annual) for 5 products, 2,500 contacts, 1 community and 0 AI credits. Growth is $249/mo ($199/mo annual) for 50 products and 25,000 contacts, and Pro is $499/mo ($399/mo annual). The standard trial is 14 days. Kajabi Payments in the US charges 2.9% + $0.30 on Basic, 2.8% on Growth and 2.7% on Pro (each plus $0.30); using a processor other than Kajabi Payments or PayPal adds a Kajabi fee of 2% on Basic, 1% on Growth and 0.5% on Pro. Trustpilot showed 3.4 from 2,347 reviews in October 2026.

For the intensive itself, Kajabi treats coaching as products and communities, not per-client plans. There is no habit tracking or daily client check-ins, and signed coaching agreements are not part of what Kajabi lists, so you would add an e-signature tool. Basic's 5-product cap fills quickly once you add a VIP day, a deposit option and a follow-up offer.

Pick it over Coachful if most of your revenue comes from courses sold to thousands of contacts and the VIP day is an occasional premium add-on rather than your core offer.

4. Stan Store: selling the day from a social bio link

If your buyers find you on Instagram or TikTok and decide within a few minutes, Stan Store is built for that moment. It is a link-in-bio storefront for selling digital products, courses, memberships and paid calls, so "Book your VIP day" becomes one tile in your store.

Homepage of Stan Store, a link-in-bio storefront for creators
Stan Store's homepage in October 2026.

Creator is $29/mo ($25/mo annual) and Creator Pro is $99/mo ($79/mo annual), both with unlimited products and customers, as listed in October 2026. There is a 14-day free trial on either plan, and the first month is charged when it ends. Stan takes 0% of sales; standard Stripe or PayPal processing applies. Email marketing, upsells, discount codes and affiliates are only on Creator Pro. Trustpilot showed 4.7 from 2,205 reviews.

Where it stops: no contracts, no invoices and no client records, so it is not a CRM. There are no programs with client tasks, habits or check-ins, and no team seats are advertised. A VIP day coach on Stan Store typically adds a contract tool and a scheduler, and runs follow-up by email.

Pick it over Coachful if your audience lives on social media, buyers want to pay with PayPal, and your intensive is a shorter, lower-priced session that does not need an agreement or a follow-up program.

5. Acuity Scheduling: a long booking block with intake forms, nothing more

Some coaches already have a website, a contract process and an email list, and only need to book a six-hour block cleanly with a questionnaire attached. Acuity Scheduling, owned by Squarespace, is appointment scheduling with intake forms, packages and memberships.

Acuity Scheduling homepage
Acuity Scheduling's homepage in October 2026.

As listed in October 2026: Starter is $20/mo ($16/mo annual) for 1 calendar, Standard is $34/mo ($27/mo annual) for up to 6 calendars, and Premium is $69/mo ($55/mo annual) for up to 36 calendars. Every plan has a 7-day free trial with no card. Acuity mentions no fee of its own on payments; you connect Stripe, Square, PayPal or Venmo and pay their rates. Text reminders start on Standard, and a HIPAA BAA is only on Premium. Trustpilot showed 3.6 from 687 reviews.

Beyond the calendar there is little for a VIP day business. No client portal for programs, habits, check-ins or messaging; no courses, community, website builder or email marketing. You would still need somewhere to put the pre-work, the plan and the follow-up. Our scheduling software guide compares it with other booking tools.

Pick it over Coachful if you only need booking, want Venmo or Square at checkout, or run a health-adjacent intensive that requires a BAA on Acuity's Premium plan.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

6. Paperbell: the simplest checkout, contract and booking flow

Paperbell is the choice for a solo coach who wants the purchase of a VIP day to happen in one tidy sequence: buy, sign, book. It is an all-in-one admin tool for solo coaches covering booking, packages, payments, contracts, a client portal and a simple website.

Homepage of Paperbell, an all-in-one admin tool for solo coaches
Paperbell's homepage in October 2026.

There is one plan at $97/mo ($80.83/mo annual), with unlimited clients, sessions, files, packages and traffic, as listed in October 2026. A "Try For Free" button is on the pricing page without a stated length; Paperbell's help center in July 2026 described a 7-day trial with the public site offline and client messages and SMS turned off. There is a 30-day money-back guarantee and no additional transaction fees beyond Stripe or PayPal. Trustpilot showed 3.5 from 14 reviews.

The limits show up after the day. Per vendor profile data from September 2026, Paperbell has no courses, community, or goal and habit tracking, and no native mobile app (clients use a mobile browser). Follow-up beyond booked calls lives in email. One price covers everything per coach, which is simple, but it is a fixed cost even in a quiet month. See Paperbell alternatives for a deeper comparison.

Pick it over Coachful if you need PayPal, want the most minimal buyer flow possible, and your follow-up is one or two booked calls with no structured program.

7. CoachVantage: VIP days that feed a small group program

Consider the coach who runs VIP days for five or six people a quarter and then moves them into a shared implementation group. CoachVantage handles that pattern with coaching practice management: CRM, scheduling, contracts with e-signature, invoices, a client portal, group programs and small courses.

Homepage of CoachVantage, a coaching practice management platform
CoachVantage's homepage in October 2026.

As listed in October 2026, Clarity is $39/mo ($35/mo annual) with unlimited contacts and engagements but caps of 2 group programs, 2 sales pages, 2 booking pages, 4 e-signatures a month, 2 contract templates and 2 courses. Aha! is $59/mo ($53/mo annual) with unlimited group programs (with cohorts), sales pages, booking pages and e-signatures. There is a 14-day free trial with no card and no commission on your revenue; Stripe or PayPal fees apply.

Watch the Clarity caps: four e-signatures a month means a coach selling more than four VIP days a month needs Aha!. Vendor profile data from September 2026 notes no team or multi-coach features, and users report the built-in video (CVMeet) as weak, with many still using Zoom. Per-client habit tracking and daily check-ins are not part of what CoachVantage lists.

Pick it over Coachful if you want PayPal, priced per coach with unlimited contacts, and you are content to run the day itself on Zoom.

8. CoachAccountable: action plans and metrics after an executive intensive

An executive coach who ends each strategy day with a 90-day action plan and three numbers to track will recognise CoachAccountable's design. It is a coaching back office with sessions, action plans, metrics, worksheets, courses, invoicing and agreements. If your VIP day follows our half-day executive strategy structure, this is the tool that most closely mirrors it.

CoachAccountable homepage
CoachAccountable's homepage in October 2026.

Pricing is per active client, as listed in October 2026: Starter $20/mo for 2, Level 1 $40/mo for 5, Level 2 $70/mo for 10, Level 3 $120/mo for 20, Level 4 $250/mo for 50 and Level 5 $400/mo for 100. The trial is 30 days, no card, no limits. Transaction fees are not stated on the pricing page; Stripe, Square or PayPal processing applies per older profile data. Trustpilot showed 4.8 from 47 reviews.

At our example coach's 15 active clients, that is Level 3. Per vendor profile data from September 2026, there are no landing pages, website or marketing automation, so the VIP day still needs a sales page and email tool elsewhere. There is no native mobile app, and the company states it is not HIPAA compliant. Per-active-client pricing also gets expensive if you add a group follow-up. Compare options on our CoachAccountable alternatives page.

Pick it over Coachful if metric-heavy accountability is the product you sell, you already have a website and email list, and you want PayPal or Square as payment options.

9. Delenta: client portals for each buyer on a tight budget

Delenta fits a newer VIP day coach who wants each buyer to get a private portal with their agreement, sessions and files, at a low annual price. It is a coaching practice platform with CRM, scheduling, contracts, client portals, group coaching, and courses on its top plan.

Homepage of Delenta, a coaching platform with client portals
Delenta's homepage in October 2026.

As listed in October 2026: Starter is $29/mo ($19.08/mo annual) with 1 seat, 10 client portals and 1 GB; Pro is $49/mo ($39.08/mo annual) with 40 portals and up to 6 calendars; Premium is $79/mo ($58.25/mo annual) with unlimited portals and 100 GB. Teams is per seat with no amount shown. The trial is unclear: the headline says 14 days while the FAQ says 7 days, with no credit card required. Delenta adds no transaction fees; Stripe or PayPal fees apply. Trustpilot showed 4.1, but from only 5 reviews.

The course creator and mobile app are only on Premium, so a VIP day client gets them only at the highest solo price. Ten portals on Starter fill quickly if past VIP clients keep their access. Multi-coach features require the custom-priced Teams plan. Daily habits and check-ins are not part of what Delenta lists.

Pick it over Coachful if PayPal is a must and you want a private portal per client at the lowest annual cost, without a follow-up program.

10. Systeme.io: testing demand for a VIP day before you spend anything

Not sure anyone will buy a VIP day yet? Systeme.io lets you put up a sales page, a checkout and an email follow-up on a plan that never expires. It is a low-cost all-in-one marketing suite: funnels, email, courses, community, blog and an affiliate program.

Homepage of Systeme.io, a low-cost funnel, email and course suite
Systeme.io's homepage in October 2026.

As listed in October 2026, the free plan covers 2,000 contacts, 3 funnels, 1 course, 1 automation rule and 1 email campaign, with no credit card. Startup is $17/mo (5,000 contacts, 10 funnels, 5 courses), Webinar is $47/mo and Unlimited is $97/mo. Systeme.io charges 0% transaction fees on every plan, including free; Stripe or PayPal processing applies. Trustpilot showed 4.9 from 8,696 reviews.

It is a marketing tool, not a client tool. Per vendor profile data from September 2026, there is no native 1:1 scheduling with client records, habits or check-ins, community and course features are basic, and there is no branded mobile app. You would add a scheduler and a contract tool, and handle follow-up by email.

Pick it over Coachful if you have no budget at all and only need to validate that a VIP day sells before building the delivery side.

11. Kit: a newsletter-led waitlist for each VIP day

Some coaches sell every intensive the same way: announce dates to the newsletter, open a waitlist, then email the waitlist when spots open. Kit (formerly ConvertKit) is an email marketing and newsletter platform with landing pages and simple digital product sales, so it handles that announcement cycle well.

As listed in October 2026, the free Newsletter plan covers up to 10,000 subscribers. Creator starts at $39/mo for up to 1,000 subscribers and rises with list size, and Pro starts at $79/mo with unlimited team members. Paid plans have a 14-day free trial with no card. Kit Commerce charges 3.5% + $0.30 per USD transaction, all-in, with no monthly fee. Trustpilot showed 3.9 from 162 reviews.

Kit fulfils digital products only. There is no scheduling, no client records, no session management, no course portal, no community, and no habits or check-ins. Automations and sequences, which you need for a pre-day welcome series, require a paid plan. For a VIP day business, Kit is a supporting tool for the list, not the place where clients work. Our email marketing for coaches page explains what an integrated setup covers.

Pick it over Coachful if your newsletter is the business itself, VIP days are one of several offers you announce to it, and your client work already lives in another tool.

12. Calendly: just the booking link

When you coach inside an agency or a firm that already supplies contracts, invoicing and follow-up, all you may need is a link that books the day. Calendly is a scheduling tool: booking pages, reminders and workflows, and paid bookings.

Homepage of Calendly, a scheduling tool for booking pages
Calendly's homepage in October 2026.

As listed in October 2026, the free plan allows 1 event type and 1 calendar connection. Standard is $10 per seat per month billed annually (monthly price not shown) with up to 6 calendar connections and unlimited event types; Teams is $16 per seat per month billed annually. Calendly documents no fee of its own on payments; you connect your own Stripe or PayPal. Trustpilot showed 4.1 from 714 reviews.

There are no client records, notes, programs, habits or check-ins, no intake questionnaires beyond booking questions, and no contracts or invoicing. Each coach on a team pays per seat. For a VIP day, the free plan's single event type also means you cannot offer a fit call and the day itself on separate links without upgrading.

Pick it over Coachful if someone else owns the client relationship and you are only responsible for getting the day into the calendar.

Which features does each tool cover for a VIP day?

Coachful is the only tool here that covers every row from sales page to follow-up check-ins. The matrix below uses what each vendor lists in October 2026 (and September 2026 profile data where noted above). "Not listed" means the vendor does not document it.

What do three typical VIP day stacks cost per month?

A single platform usually costs less than the stack it replaces once you count every gap. These three examples assume our coach with about 15 active clients and monthly billing at October 2026 list prices, before card processing fees. They are illustrations, not quotes.

StackWhat it coversMonthly costWhat is still missing
Coachful (one platform)Funnels, checkout with payment plans, agreements, booking, video, follow-up program, community, email sequencesSolo: $49/month for up to 20 clientsPayPal; routing forms
HoneyBook Essentials + Kajabi BasicProposals, contracts, invoices and booking in HoneyBook; sales page, courses and email in Kajabi$59 + $179 = $238/monthHabits and check-ins; two logins and two payment setups
Stan Store Creator + Acuity Starter + Kit freeBio-link checkout, booking with intake forms, a newsletter$29 + $20 + $0 = $49/monthContracts, a client portal, follow-up program and email automations (paid Kit plan or Stan Creator Pro); three logins

The lean stack looks cheapest, but it has no contract and no place for the client to work after the day. Moving Stan Store to Creator Pro for email sequences takes it to $119/month, and you would still need a separate e-signature tool and a place for follow-up.

What mistakes do VIP day coaches make with software?

Most problems come from treating the day as the product instead of the result.

  • Taking payment before the agreement is signed. Send the agreement with the checkout or straight after, and spell out rescheduling, refunds, recording use and how many follow-up calls are included.
  • Skipping structured pre-work. Intake questions on the booking form, plus one worksheet, save the first hour of the day.
  • Leaving follow-up to email. A plan in a PDF fades within a fortnight. Put weekly goals and check-ins somewhere the client opens without being reminded.
  • Booking the day like a 60-minute call. Use buffers and minimum notice so a six-hour block cannot be booked for tomorrow morning or beside another call.
  • Ignoring per-client pricing. Tools priced per active client get expensive when past VIP clients stay active for follow-up.

Verdict: which is the best software for VIP day coaches?

For most coaches selling intensives, Coachful is the best choice because it runs the whole arc, from application and payment plan to signed agreement, the day itself and a follow-up program, in one login and one client app, and the team will build the funnel or site for you. HoneyBook is the strongest pick for project-style, in-person days sold with proposals. Kajabi fits course businesses with a VIP day on top, Stan Store fits social-first sellers, and Acuity fits coaches who only need the booking block. Paperbell, CoachVantage, CoachAccountable and Delenta are solid coaching back offices with narrower follow-up, and Systeme.io, Kit and Calendly are supporting tools rather than homes for client work. FAQ

What software do I need to run a VIP day?

At minimum: a sales page or application form, a checkout that supports payment plans, an e-signed agreement, a booking page that can hold a long block, and somewhere to run follow-up. You can assemble those from four or five tools or use one platform such as Coachful that covers all of them.

Can I take a deposit or payment plan for a VIP day?

Yes, in most of these tools. Coachful supports one-time payments, subscriptions and payment plans through your own Stripe or Razorpay account. Check with an accountant on how instalments and deposits are treated for tax where you live.

Should a VIP day client sign a contract?

Yes. Because the full fee is often paid before you meet, the agreement should cover scope, rescheduling, refunds, confidentiality and follow-up. The ICF Code of Ethics expects these terms to be clear before or at the first meeting.

How do I book a full-day session without double-booking?

Create a dedicated session type for the day with its own length, buffers before and after, and a minimum notice period, and sync it two ways with your calendar. Coachful's booking pages support all of these with Google, Apple/iCloud and Outlook sync.

What should happen after the VIP day?

Turn the plan you built together into weekly goals and tasks, schedule two to four follow-up calls, and check in between them. In Coachful you can enroll the client in a short program with habits and morning or evening check-ins that they see in your branded app.

What is Coachful's free white-glove service?

It is a build service on every plan. You describe what you want, such as a VIP day sales page, application funnel, website or follow-up program, attach references and files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include recording videos, logo design, ads or ongoing marketing.

Is Coachful suitable for in-person VIP days?

Yes, for everything around the day. The application, payment, agreement, intake questions, pre-work and follow-up program all run through Coachful whether you meet in a hotel suite or online. When the day is virtual, sessions get built-in video or an auto-created Zoom, Meet or Teams link.

Can I sell VIP days with PayPal?

Not in Coachful, which uses Stripe Connect or Razorpay. Paperbell, CoachVantage, Delenta, Stan Store, Systeme.io and Acuity Scheduling list PayPal among their payment options.

Do I need a separate tool for VIP day pre-work?

Not if your platform has forms and a client portal. In Coachful, intake questions sit on the booking page, and worksheets, downloads or a short course can be delivered into the client's branded home before the day.
