The 12 Best Bonsai Alternatives, Compared

The best Bonsai alternatives for coaches are the tools that handle what happens after the contract is signed. Bonsai is strong at freelancer admin: proposals, contracts, invoices, time tracking and projects. What it does not do is coach. There are no programs, habits, check-ins, courses or community in Bonsai's plans as listed in October 2026. So the deciding question is simple: do you only need a cleaner back office, or do you need one place that runs the whole client journey, from first visit to renewal?
If you need the whole journey, Coachful is our pick. It puts booking, agreements, payments, programs with habits and check-ins, courses, community, a website with funnels and email in one login, with one branded app for your clients. If you only need admin, HoneyBook and Dubsado are the closest like-for-like swaps. Below we rank 12 tools against the four stages of a coaching client journey, price three real-world stacks, and show how to move off Bonsai without losing a signed contract. If you want the full picture of Bonsai itself first, read our Bonsai review and the breakdown of Bonsai pricing.

Why do coaches look for Bonsai alternatives?
Most coaches who look past Bonsai are not unhappy with its invoices. They are unhappy that invoices are where it ends. Bonsai was built for freelancers and agencies who sell hours and projects, and its plans show it.
- Basic ($15 a month, or $9 billed yearly) has no invoices or payments. You get time tracking, tasks, a CRM and unlimited projects, but to send an invoice or a contract you need Essentials at $25 a month ($19 billed yearly).
- Client messaging and client tasks sit on Premium at $39 a month ($29 billed yearly), along with the QuickBooks, Xero, Zapier, Calendly and Google integrations and the option to remove Bonsai branding.
- Every plan is priced per user. Elite ($59 a month, $49 billed yearly) requires at least three users.
- There is no delivery layer. Bonsai lists no courses, no community, no client habits or check-ins and no coaching programs.
- A custom domain is not out yet. Bonsai's pricing page marks it, along with project phases, as "expected in 2026".
None of that makes Bonsai bad. It holds a 4.3 rating from 641 reviews on Trustpilot as of October 2026, and if your coaching is mostly consulting billed by the hour it may be all you need. But a coach running a 12-week program usually ends up bolting on a course tool, a habit app, a community and an email platform, then paying for all of them. That is the gap the tools below try to close.
What does a coach's client journey need from software?
A coaching client moves through four stages, and each stage needs different software. Bonsai covers most of one stage and part of another. Here is what each stage asks for.
Attract: getting found by the right people
Before anyone books, they need somewhere to land: a website on your own domain, a lead magnet or free call offer, and an email list that keeps in touch. Funnel pages with tracking matter once you run ads or webinars. Bonsai has a CRM and forms but no site builder, and its custom domain is still pending.

Enroll: turning interest into a paying client
This is Bonsai's home ground. You need a booking page for discovery calls, a coaching agreement the client signs before the first session, and payments that handle one-off fees, monthly subscriptions and payment plans. Intake questions at booking save you a call. For coaching, contracts are less about project scope and more about what coaching is and is not; our guide to coaching contracts covers what to put in them.
Deliver: the work between sessions
Clients change between sessions, not during them. Delivery software gives each client a program with weekly goals, daily tasks, habits and check-ins, plus course lessons and resources you can drip out. The coach needs to see who is keeping up and who has gone quiet. Bonsai has client tasks on Premium, and nothing beyond that.

Retain: keeping clients and earning renewals
Renewals come from visible progress and a sense of belonging. That means goal tracking the client can see, a community or cohort group, group calls, and email sequences that check in after a program ends. Without these, a client finishes the program and simply drifts away.
How did we rank these 12 Bonsai alternatives?
We ranked on four things that matter to a coach leaving Bonsai: one login across the whole client journey, between-session delivery, total stack cost, and setup effort (including whether someone will build it for you). We did not run hands-on tests of every tool. The ranking uses what each vendor documents on its own pricing and help pages, checked on 25 October 2026, plus public review counts.
To keep the costs honest, we priced every tool against one example practice: a coach with 15 one-to-one clients on monthly payment plans and one eight-week group program of around ten people. That coach needs booking, agreements, recurring payments, a program with check-ins, a group space and a way to email past clients. A tool that cannot do part of that gets a lower rank or a note about what you would add.
Ranking criteria: one login for the whole client journey, between-session delivery, total stack cost, and setup effort.

1. Coachful: the whole client journey in one login
Coachful replaces Bonsai's admin core and adds the coaching layer Bonsai lacks. A client finds you on your website, books a call, signs your agreement, pays, starts a program with habits and check-ins, joins a cohort group and gets follow-up emails, all inside one product. You log in once; your client opens one app with your branding. We make Coachful, so weigh our ranking with that in mind. Every claim below is something the product documents.

Enroll without the Bonsai paperwork. Booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync. Sessions get built-in video or auto-created Zoom, Meet or Teams links. Reminders go by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. You can ask intake questions at booking and sell paid sessions or session credits. Coaching agreements with e-signature go out before the first call and are stored on the client record, which covers the contract half of Bonsai.
Payments run through your own account. Coachful connects to your own Stripe Connect or Razorpay account for one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, with Stripe Tax. Every transaction gets an invoice, and you can still create manual invoices for anything off-platform. Since August 2026 there is no Coachful platform fee on payments; you pay only Stripe or Razorpay processing.

Delivery is where the gap with Bonsai is widest. You build multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses come with modules, lessons, drip release and completion tracking, and you can add downloads, videos, books, AI tools, events and bundles to the client's branded home. Enrolling a client in a program creates their cohort group automatically, so the group program in our example needs no separate community tool. Templates help: more than 40 ready-to-film program templates, 48 course templates with quizzes and about 25 funnel templates.

Retention gets its own signals. Each client record holds goals, check-ins, habits, notes, intake answers, tags, payments, sessions and an AI briefing, and tags the client as thriving, active, quiet or at risk. A community feed, group chat, direct messages, video events, group calls and webinars keep people connected. Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits handle follow-up after a program ends.

Attract is built in too. The section-based website builder includes a blog, custom domain, SEO settings, 30 designed homepage templates and an Import website option, which matters if you have been waiting on Bonsai's custom domain. Booking, application, lead-magnet and checkout funnels carry pixels and UTM tracking, and a link-in-bio page can sell directly. See our coach website builder page for the details.
An assistant that knows your practice. Michelle, the built-in AI assistant, works from your live practice data. She builds programs, drafts emails and content, summarizes recorded sessions and briefs you before each session. If you want it, she gives private feedback on your own coaching against ICF Core Competencies 3 to 8. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. Separately, an AI Coach lets selected clients chat with an AI version of you between sessions, configured by you. Coachful also counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log; see ICF hour tracking.
Here is a short walkthrough of how a client moves through a journey in Coachful:
Why Coachful stands out: a free white-glove service. On every plan, you can open Create, choose "We'll build it for you", and describe what you need: a website, funnel, sales page, program, course outline and written material, email sequence, form, lead quiz, event or automation. You can attach up to 8 reference links and up to 10 files such as logos, photos, brand guides and existing copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. A business mentor for beauty professionals, for example, got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. A leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. It does not cover recording videos, logo design, ad management or ongoing marketing. More in our guide to the free white-glove service.

Where Coachful falls short. It is not HIPAA-certified and offers no BAA, so it is not for clinical record-keeping or insurance billing. There is no PayPal and no permanent free plan. The client app ships under the Coachful listing with your branding, not under your own App Store account. There is no multi-stage sales deal board for large teams and no Salesforce or HubSpot integration. Affiliate tracking covers links, clicks, conversions and revenue, but you record payouts yourself. And if you bill by the hour from timesheets and Gantt charts, Bonsai's project tools have no counterpart in Coachful's documented feature set.
In short: Coachful is a coaching platform built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for anyone replacing four to six tools. Plans are flat monthly; lower plans cap the number of clients, Pro is unlimited, and team plans (Studio and Agency) add coach seats. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. To start, take a free trial, ask the team to build your site or first program through the white-glove service, and have your clients, programs and content imported during onboarding. Monthly plans cancel in one click, and you can export all client data as a ZIP. It is rated 4.5 from 21 reviews on Trustpilot.
2. HoneyBook: the closest like-for-like swap
HoneyBook does much of what Bonsai does, aimed at service businesses. If your frustration with Bonsai is the interface or the per-user pricing, not the missing coaching tools, this is the shortest move.

The core is a client-management CRM with proposals, contracts, invoices, a scheduler and a client portal. Every plan includes unlimited clients and projects. As listed in October 2026, Starter costs $29 a month billed yearly (the monthly figure is not shown), with two live lead forms. Essentials is $59 a month ($49 billed yearly) with up to two team members and ten lead forms. Premium is $129 a month ($109 billed yearly) with unlimited team members and multiple companies. There is a 30-day free trial with no credit card. Note that the scheduler and automations are not on Starter, so a coach who books discovery calls needs Essentials.
Payments must run through HoneyBook's own processing. The pricing page conflicts with itself on card fees: the FAQ says 2.7% + 10¢, while the plan comparison shows 2.9% + 25¢. ACH is 1.5%, and instant deposit costs 1%. Prices have also risen: our earlier profile recorded the February 2025 jump from $19, $39 and $79 to $36, $59 and $129 monthly. HoneyBook holds 4.1 from 748 reviews on Trustpilot.
The limit is the same as Bonsai's. HoneyBook has no programs, courses, habits, check-ins or community, so you would still need a delivery tool. Our HoneyBook alternatives guide covers that trade-off in more depth.
Pick it over Coachful if you sell custom proposals more than programs, want your contracts and invoices to look and work much like Bonsai's, and already have delivery handled elsewhere.
3. Dubsado: when automation matters most
Dubsado suits coaches who like to design every step of the client workflow: forms trigger contracts, contracts trigger invoices, invoices trigger reminders. It is a client workflow CRM with forms, contracts, invoices, a scheduler and automated workflows.

Pricing is simple. Starter is $35 a month ($27.92 billed yearly) with unlimited clients and projects but only one active lead-capture form, and no scheduler or automations. Premier is $55 a month ($43.75 billed yearly) with unlimited lead forms, the scheduler and workflows. The trial lasts 21 days with full Premier access and no credit card. Dubsado states no platform fee of its own; your processor's rates apply, and you can optionally surcharge clients to pass on card costs.
Dubsado is candid about its edges. It says it does not include website building and is not an email marketing platform. The mobile app is a companion, and full functionality needs the desktop web app. Like Bonsai and HoneyBook, it has no courses, client community, habits or check-ins. Contacts export to CSV, but forms and templates are not portable, according to our September 2026 profile, so time spent building workflows stays in Dubsado.
For our 15-client example, Premier at $55 covers enrollment and paperwork well. Delivery and marketing would sit in two more tools.
Pick it over Coachful if your business runs on complex, branching admin workflows, you do not deliver programs between sessions, and you already have a website and email tool you like.
4. Kajabi: the course and community heavyweight
Kajabi covers marketing and delivery rather than paperwork, which makes it a different kind of Bonsai alternative. It is a course, community, website, funnel and email platform built for selling knowledge products. If your coaching is moving toward courses and memberships, it fills the stages Bonsai leaves empty.
The prices are the highest in this list. Basic is $179 a month ($143 billed yearly) and caps you at 5 products, 2,500 contacts, one community and two admin users, with no AI credits. Growth is $249 a month ($199 billed yearly) with 50 products and 25,000 contacts. Pro is $499 a month ($399 billed yearly), and the branded mobile app is a Pro feature in the comparison table seen in October 2026. Every plan has a 30-day money-back guarantee, and Kajabi's help center describes a standard 14-day trial.
Watch the payment fees. Kajabi Payments in the US costs 2.9% + $0.30 on Basic, falling to 2.7% + $0.30 on Pro. Using a processor other than Kajabi Payments or PayPal adds a Kajabi fee of 2% on Basic, 1% on Growth and 0.5% on Pro. Extra contacts cost $125 a month per 25,000.
For coaching, the gaps are per-client. There is no habit tracking or daily client check-in; coaching runs through products and communities, not individual plans. You would still want separate booking and contracts. Kajabi holds 3.4 from 2,347 reviews on Trustpilot. Our Kajabi alternatives roundup compares it with lighter options.
Pick it over Coachful if courses and a large email list are the main business, you need many products and admin users, and one-to-one coaching is a small part of revenue.
5. Quenza: between-session work without the admin
Quenza is the opposite of Bonsai: almost all delivery, no admin. It gives coaches and therapists activities, worksheets, programs, notes, tasks, one-to-one chat and a client mobile app. If Bonsai already handles your contracts and invoices, Quenza is a common pairing.
Plans scale by client count. Spark is $25 a month ($20 billed yearly) for one professional and ten clients. Growth is $50 a month ($40 billed yearly) for 250 clients and adds groups, one landing page, file sharing, recurring tasks and a custom logo. Impact is $125 a month ($100 billed yearly) with a custom domain and custom email sender. Collective is $160 a month for up to three professionals. There is a 30-day trial with no credit card.
The limits are clear. Quenza has no client payment processing today; invoicing and digital products are marked as planned. Our September 2026 profile also found no scheduling or video calls. So for our example coach, Quenza at $50 a month covers delivery but leaves booking, agreements and payments to another tool. It holds 4.3 on Trustpilot, but from only eight reviews, which is too few to read much into.
The appeal is the activity library: Spark includes more than 100 core activities, Growth more than 200 and Impact more than 400 premium ones. That suits coaches who assign structured exercises rather than build their own.
Pick it over Coachful if you want to keep Bonsai for contracts and invoices, only need a delivery layer, and prefer a large library of ready-made exercises to building programs yourself.
6. Paperbell: one flat price for solo admin
Paperbell is built for solo coaches and does much of what Bonsai does, but in coaching language: packages instead of projects, sessions instead of hours. It is a single plan, which makes budgeting easy.

As listed in October 2026, Paperbell costs $97 a month, or $970 a year (shown as two months free). That price includes unlimited clients, sessions, files and packages, a coaching website, scheduling, payments and packages, a client portal, contracts, email workflows, forms, group coaching, video call integration, notes, digital downloads, online classes and custom branding. Paperbell says there are no additional transaction fees beyond your Stripe or PayPal processor and no add-ons. The pricing page shows a "Try For Free" button without a trial length, and there is a 30-day money-back guarantee.
Compared with Bonsai, Paperbell adds a simple website and group coaching. Compared with a full coaching platform, it is thinner on delivery: our September 2026 profile found no course builder, community, goal tracking or habit tracking, and no native mobile app. Clients use a mobile browser. It holds 3.5 from 14 reviews on Trustpilot. Our Paperbell alternatives guide goes deeper.
For our example, Paperbell's $97 covers enrollment for all 15 clients and the group program's sessions, but the eight weeks of between-session work would need another tool.
Pick it over Coachful if you coach mostly in sessions, want one fixed monthly price with unlimited clients, and need PayPal alongside Stripe.
7. Practice Better: for wellness and nutrition practices
Practice Better is practice-management software for wellness and nutrition practitioners: scheduling, telehealth video, charting, billing, programs and a client portal. For a health or nutrition coach leaving Bonsai, it fits the workflow more closely than any freelancer tool.

The plan ladder is wide. Sprout is free for three clients. Starter is $35 a month ($25 billed yearly) for ten clients with scheduling, telehealth, billing, secure messaging, forms and note templates. Professional is $69 a month ($59 billed yearly) for 300 clients and adds group scheduling, fixed-date programs, deposits and payment plans. Plus is $99 a month ($89 billed yearly) for unlimited clients, evergreen self-paced programs, portal branding and SMS. Team is $155 a month for two practitioners. The pricing page is inconsistent on Professional: a card says "Save $84/year" while the table shows $59. Trials run 14 days, or 30 on Team.
Add-ons can stack up: the AI charting assistant runs $10 to $40 per practitioner per month, and SMS beyond the allowance costs 5¢ per text. Our September 2026 profile found no website builder or funnel pages. It holds 3.8 from 87 reviews on Trustpilot. More in our Practice Better alternatives guide.
A note on scope for health coaches: coaching is not treatment. If a client's concerns move into diagnosis or a medical condition, refer them to a licensed clinician. Practice Better's charting suits clinical-adjacent practices; Coachful is not HIPAA-certified and is not for clinical records.
Pick it over Coachful if you run a nutrition or wellness practice that needs charting and telehealth, and your clients expect a clinical-style intake process.
8. CoachAccountable: accountability, priced per active client
CoachAccountable is a coaching back office built around accountability: sessions, action plans, metrics, worksheets, courses, invoicing and agreements. Every plan has the full feature set with unlimited coaches and admins, so you never lose a feature by staying small.
The catch is the pricing model. You pay by active clients, and only active clients count. As listed in October 2026: 2 clients for $20 a month, 5 for $40, 10 for $70, 20 for $120, 35 for $200, 50 for $250 and 100 for $400. There is no annual discount. For our example coach, 15 one-to-one clients plus a group of ten makes 25 active clients, which lands on the 35-client tier at $200 a month. Large group programs get expensive quickly. The trial lasts 30 days with no credit card and no limits.
Our September 2026 profile found no native mobile app, no landing pages, website or marketing automation, and a statement from CoachAccountable that it is not HIPAA compliant. Payments go through Stripe, Square or PayPal. Exports are good: each client's full coaching history exports from the Clients tab, and previous clients keep lifetime access to their records. It holds 4.8 from 47 reviews on Trustpilot. See our CoachAccountable alternatives for more.
Pick it over Coachful if you coach a small roster intensively, care most about action plans and metrics, need PayPal or Square, and do not need a website or marketing tools.
9. Simply.Coach: structure on a small budget
Simply.Coach is a coaching practice platform for contracts, programs, sessions, booking pages and a client portal, with separate business tiers for coaching companies. Its entry price is the lowest paid plan in this list.
The solo tiers cap clients, contracts and programs. Starter is $9 for three active coachees, one contract and one program. Essentials is $29 ($290 a year) for seven coachees. Growth is $49 for 30 coachees with multiple calendars, recurring sessions and your logo. Leap is $69 for unlimited coachees, contracts and programs, with a white-labelled platform on your own domain. The headline prices do not state the billing period; we treat them as monthly, as our earlier profile did. Business tiers are priced per active coach, from $79 (CoCreate) to $289 (Optima). The trial lasts 14 days with no credit card, and there are no refunds for mid-period cancellations.
For a Bonsai user the biggest gap is billing: automated invoices are marked "Coming Soon" on the solo pricing page, and neither transaction fees nor payment processors are stated. Our example coach with 15 clients would need Growth at $49, and a group of ten more would push toward Leap. We could not verify a current review score. Our Simply.Coach alternatives guide has more.
Pick it over Coachful if you want structured contracts and programs for a handful of clients at the lowest possible entry price, or you run a coaching company that needs sponsor and program-manager roles.
10. Systeme.io: marketing on a near-zero budget
Systeme.io covers the attract stage cheaply: funnels, email, courses, a community, a blog and an affiliate program. It does almost nothing Bonsai does, which is why it often sits beside Bonsai in a stack rather than replacing it.
The free plan never expires and needs no card. It includes 2,000 contacts, three funnels, one course, one blog, one custom domain, one automation rule and unlimited emails. Startup is $17 a month with 5,000 contacts and ten funnels, Webinar is $47 with evergreen webinars, and Unlimited is $97. Annual billing gives two months free. There are 0% transaction fees on every plan, including free; you pay only Stripe or PayPal processing. It holds 4.9 from 8,696 reviews on Trustpilot, the largest review base here.
For coaching, our September 2026 profile found no native one-to-one scheduling with client records, no habits or check-ins, and basic course and community features without a branded mobile app. Contacts export to CSV, but courses and pages cannot be bulk-exported.
Pick it over Coachful if you are pre-revenue, need a funnel and email list for close to nothing, and are content to handle booking, contracts and delivery elsewhere.
11. Acuity Scheduling: booking with packages built in
Acuity, owned by Squarespace, replaces Bonsai's scheduler and adds what coaches selling session bundles want: intake forms, packages, memberships and gift certificates. It does not try to be a CRM or a delivery tool.
Starter is $20 a month ($16 billed yearly) for one calendar, with unlimited services, payments through Stripe, Square, PayPal or Venmo, email reminders and custom intake forms. Standard is $34 a month ($27 billed yearly) and adds text reminders, a waitlist, packages and memberships. Premium is $69 a month ($55 billed yearly) and adds an AI booking assistant, a HIPAA BAA and removal of the Acuity footer. Annual billing saves 20%, and every plan has a seven-day trial with no credit card. Acuity mentions no fee of its own on payments.
The limits are wide: no client portal for programs, habits, check-ins or messaging; no courses, community, website builder or email marketing. Contracts and invoices would stay in Bonsai or move elsewhere. It holds 3.6 from 687 reviews on Trustpilot.
For our example, Standard at $34 handles monthly session packages for 15 clients, and nothing beyond booking.
Pick it over Coachful if scheduling is your only problem, you sell prepaid session packages, and you need Square, PayPal or Venmo at checkout.
12. Calendly: the lightest possible option
Calendly is a scheduling tool and nothing more: booking pages, reminders and workflows, and paid bookings. It appears here because many coaches who leave Bonsai only ever used it for booking, and Calendly does that one job at the lowest cost.
The free plan covers one event type and one calendar connection. Standard is $10 per seat a month billed yearly and adds unlimited event types, up to six calendar connections, automations and reminders, Stripe and PayPal payments, and HubSpot and Mailchimp connections. Teams is $16 per seat billed yearly with round-robin scheduling and routing. Monthly-billed prices were not shown on the pricing page in October 2026, and the trial terms were not visible either. Calendly charges no fee of its own on payments.
There are no client records, notes, programs, habits or check-ins, no intake questionnaire beyond booking questions, and no contracts or invoicing. It holds 4.1 from 714 reviews on Trustpilot. For booking tools with more coaching features, see our Calendly alternatives for coaches.
Pick it over Coachful if you only need people to book a discovery call and everything after that call already lives in other tools.
What does each stack cost per month?
The sticker price of one tool rarely tells you what a coaching practice pays. Here are the list prices for our example coach at 5, 15 and 40 clients, billed monthly unless noted, before payment processing fees. Each row uses the cheapest plan that includes booking or the tool's core coaching feature.
| Tool and plan | 5 clients | 15 clients | 40 clients |
|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients |
| Bonsai Essentials (per user) | $25 | $25 | $25 |
| HoneyBook Essentials | $59 | $59 | $59 |
| Dubsado Premier | $55 | $55 | $55 |
| Kajabi Basic | $179 | $179 | $179 |
| Quenza (Spark, then Growth) | $25 | $50 | $50 |
| Paperbell | $97 | $97 | $97 |
| Practice Better (Starter, then Professional) | $35 | $69 | $69 |
| CoachAccountable (by active clients) | $40 | $120 (20-client tier) | $250 (50-client tier) |
| Simply.Coach (Essentials, Growth, Leap) | $29 | $49 | $69 |
| Systeme.io | $0 (Free) | $0 (Free) | $0 to $17 |
| Acuity Scheduling Standard | $34 | $34 | $34 |
| Calendly Standard (billed yearly) | $10 | $10 | $10 |
A single row only matters if that tool covers everything you need. Most do not, so the honest comparison is between stacks. The recipes below are examples built from October 2026 list prices for our 15-client coach with one group program.
| Stack | What it covers | Logins | Monthly cost at 15 clients |
|---|---|---|---|
| Coachful alone | Attract, enroll, deliver, retain | 1 | Solo: $49/month for up to 20 clients |
| Bonsai Essentials + Quenza Growth + Systeme.io Startup | Admin, delivery, funnels and email | 3 | $92 |
| HoneyBook Essentials + Quenza Growth + Systeme.io Startup | Admin, delivery, funnels and email | 3 | $126 |
| Acuity Standard + Quenza Growth + Systeme.io Startup | Booking and packages, delivery, funnels; no contracts | 3 | $101 |
| Dubsado Premier + Kajabi Basic | Admin, courses, community, site, email; no habits or check-ins | 2 | $234 |
| Paperbell + Quenza Growth | Admin, simple site, delivery; no funnels or community | 2 | $147 |
Two things the dollar figures hide. First, each extra login is a place a client can get lost: a link to sign in Bonsai, an app for Quenza, an email list in Systeme.io. Second, setup time multiplies. Three tools mean three sets of templates, three branding passes and three places to update when an offer changes. Take both into account alongside the monthly total, and check your processor fees too: Bonsai's help center, as of our September 2026 profile, listed Bonsai Payments at 2.9% + $0.30 per card payment and a 1% platform fee when you use your own Stripe or PayPal where Bonsai Payments is available.
If you are weighing an all-in-one platform against a stack more broadly, our pages on coaching payment software, scheduling software and group coaching software go through each layer.
How do you move off Bonsai without losing clients?
Plan the move around your billing cycles, not around a weekend. Run both tools for one cycle so open invoices and active contracts finish where they started. The steps below work for any destination; the Coachful notes show what happens there.

- Check your Bonsai renewal date. Bonsai's yearly billing advertises "up to 4 months free", so many coaches are on annual plans. Time the switch for the end of the paid period.
- Export what Bonsai lets you export. Our September 2026 profile notes that clients, contacts and invoices export to CSV. Download each signed contract as a PDF as well; templates and proposals usually have to be rebuilt by hand.
- Let open invoices finish in Bonsai. Do not reissue a live invoice in a new tool. Mark the client in your notes and switch them over on their next payment.
- Rebuild services as offers. Bonsai's service library maps to packages or offers in coaching tools. In Coachful, each offer can be a one-time payment, subscription or payment plan through your own Stripe Connect or Razorpay account.
- Bring agreements across. Upload old signed PDFs and send your updated coaching agreement for e-signature to new clients before their first call. Coachful's Agreements tab accepts a signed PDF dropped onto it, and signed agreements are stored on the client record.
- Move your email list with care. Carry over consent, keep an unsubscribe link in every marketing email and include a postal address. The FTC's CAN-SPAM compliance guide says opt-outs must be honored within ten business days.
- Tell clients what changes for them. One short email: where they will log in, when their next payment moves, and what stays the same. In Coachful, clients get one branded app for sessions, program tasks, check-ins and messages.

On Coachful, clients, programs and content are imported for you during onboarding, and the white-glove team can rebuild your website or first program from your existing copy. If you are coming from a different starting point, our guides to switching from HoneyBook and the broader coaching CRM page cover the same ground.
Common mistakes when replacing Bonsai
- Replacing like with like. Swapping Bonsai for HoneyBook fixes the interface but not the missing delivery layer. Decide first whether you need a back office or a coaching platform.
- Pricing one tool instead of the stack. A $25 admin tool plus a $50 delivery tool plus a $17 email tool is a $92 stack with three logins.
- Ignoring client caps. Quenza Spark stops at ten clients, Practice Better Starter at ten, and CoachAccountable charges by every active client, including group members.
- Forgetting payment fees. Kajabi and Bonsai can add a platform fee when you use your own processor. Compare the effective rate, not just the plan.
- Moving mid-contract. Clients who signed a Bonsai contract last month do not need a new one tomorrow. Switch them at the next natural point.
Which Bonsai alternative should you choose?
Choose by stage. If you want one login for the whole client journey, Coachful is the strongest choice: it replaces Bonsai's contracts, booking and invoices, and adds the programs, habits, check-ins, courses, community, website and email that Bonsai does not have, with no Coachful platform fee on payments and a team that will build your first pieces for you. If you only want a better back office, HoneyBook is the closest swap and Dubsado the most automatable. If courses are the business, Kajabi covers delivery at a higher price. If you want to keep Bonsai and add delivery, Quenza fits beside it. Wellness practitioners should look at Practice Better, and coaches who want a single flat-priced admin tool should look at Paperbell.
Whatever you pick, price the full stack, count the logins your clients will face, and plan the move around your billing cycle. For a wider view, our comparison hub lines up Coachful against each tool here.
Frequently asked questions about Bonsai alternatives
What is the best Bonsai alternative for coaches?
For coaches who deliver programs, Coachful is our pick because it covers booking, agreements, payments, programs, check-ins, courses, community, website and email in one login. For coaches who only need contracts and invoices, HoneyBook is the closest like-for-like replacement.
Is there a free Bonsai alternative?
Not for the full set of admin features. Systeme.io has a free plan for funnels and email, Calendly has a free plan with one event type, and Practice Better's Sprout plan is free for three clients. Check each free tier's limits before relying on it for contracts and invoices.
Why is Bonsai a poor fit for some coaches?
Bonsai is built for freelancers who sell hours and projects. As listed in October 2026, it has no programs, courses, community, habits or check-ins, every plan is priced per user, and the Basic plan does not include invoices or payments.
Can I import my Bonsai clients into Coachful?
Yes. Export your clients and invoices from Bonsai as CSV and download signed contracts as PDFs. Coachful imports your clients, programs and content during onboarding, and you can upload old signed agreements as PDFs.
What is Coachful's free white-glove service?
On every plan, you can ask the Coachful team to build a website, funnel, sales page, program, course outline, email sequence, form or automation inside your own account. You describe it and attach up to 8 links and 10 files, and the build usually arrives within about 24 hours. It does not include videos, logo design, ads or ongoing marketing.
Does Coachful take a cut of my payments?
No. Since August 2026 there is a 0% Coachful platform fee. You pay only the processing fees of your own Stripe or Razorpay account.
Does Coachful support PayPal like Bonsai?
No. Coachful takes payments through Stripe Connect or Razorpay, including Apple Pay and Google Pay. If PayPal is essential, Paperbell, CoachAccountable, Acuity, Calendly and Systeme.io all list it.
Is Coachful HIPAA compliant?
No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical records or insurance billing. It is GDPR-ready. Health coaches should keep coaching within scope and refer clients to a licensed clinician when concerns become medical.
Is HoneyBook or Dubsado better than Bonsai for coaches?
They are closer siblings than upgrades. HoneyBook is the most similar to Bonsai in feel, while Dubsado offers deeper workflow automation. Neither adds programs, courses, habits or community, so coaches who need delivery would still add another tool.
How long does switching from Bonsai take?
Plan for one billing cycle of overlap so open invoices and contracts finish in Bonsai. Setup time depends on how many offers, templates and contracts you rebuild; a website and first program take the longest unless someone builds them for you.
