Bonsai Review 2026: Is It the Right Fit for Coaches?

Bonsai Review 2026: Is It the Right Fit for Coaches?

This Bonsai review answers one question for coaches: is Bonsai the right home for your practice? Short answer: Bonsai is a capable back office for freelancers and small agencies, with proposals, contracts, invoices, time tracking and projects in one place, but it has no way to deliver coaching itself. There are no programs, habits, check-ins, courses or client community, and every plan is priced per user. If you sell hourly or project-based work, it can fit well. If you run programs and want clients doing the work between sessions, you will need a second or third tool alongside it.

We make Coachful, a coaching platform, so we have a stake in this comparison. To keep it fair, everything we say about Bonsai comes from its public pricing page as listed in October 2026, its documented features and what public reviewers report. We have not run a paid Bonsai account for this article, and we say where a detail comes from an older check.

Bonsai review: what is the verdict in brief?

Bonsai suits independent professionals who bill by the hour or by project and want paperwork and payments handled in one tidy tool. Coaches who deliver structured programs, groups or courses should skip it as their main platform, because it stops at the point where the coaching starts.

If you only need the money side, Bonsai is a reasonable choice. If you want the whole coaching relationship in one place, keep reading, because the alternatives section matters more for you than the feature list.

What is Bonsai?

Bonsai (sold at hellobonsai.com) is business management software for freelancers and agencies. It bundles a client CRM, proposals, contracts, invoicing, payments, time tracking, tasks and project management, with mobile apps for iOS and Android.

Bonsai homepage showing its headline and sign-up button
Bonsai's homepage in October 2026.

Its plan list is written for freelancers and agencies. You will see Gantt charts, workload views, timesheet locking and expense markups on the higher tiers. Those are agency tools. Coaches are welcome users, but nothing in the plan list is built around coaching work specifically: there is no concept of a program week, a daily habit, or a morning check-in.

That matters because a coaching business has two halves. The first half is the business wrapper: getting leads, sending an agreement, taking payment and booking calls. Bonsai covers much of that half. The second half is the delivery: what the client does between calls, how you see whether they are on track, and where group members talk to each other. Bonsai does not cover that half at all, so you would add other tools for it.

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

What does Bonsai do for marketing and lead capture?

Bonsai gives you a CRM, a service library and forms, and on Premium a deals pipeline with custom fields. It does not list a website builder, email broadcasts or sales funnels on its plan list as of October 2026.

  • CRM (all plans). Store clients and contacts, with unlimited clients and projects even on Basic.
  • Service library (all plans). Save your packages so proposals and invoices pull the same line items each time.
  • Forms and questionnaires (Essentials and up). Useful as an intake form before a discovery call.
  • Deals pipeline and custom fields (Premium and up). Track leads from first enquiry to signed proposal.

Honest note: a coach who markets through a website, a lead magnet and an email sequence will still need a website builder and an email tool next to Bonsai. Bonsai's pricing page also marks custom domains as "expected in 2026", so features tied to your own domain are not yet released. If you want to compare how a coaching platform handles the front end, our page on the coach website builder shows what is included in a Coachful membership.

How does Bonsai handle selling: proposals, contracts and payments?

This is Bonsai's strongest area. From Essentials up you get proposals, contracts, templates, invoices and online payments, so a prospect can accept a proposal, sign the agreement and pay in one sequence.

A few details coaches should know before choosing a plan:

  • Basic has no invoicing or payments. The cheapest plan is time tracking, tasks, projects and the CRM. To get paid through Bonsai you need Essentials or higher.
  • Payment processors. Bonsai lists its own Bonsai Payments (available in the US, Canada, the UK and Australia), plus Stripe and PayPal.
  • Transaction fees. The pricing page sends you to the help center for fees. When we last read that help article in September 2026, Bonsai Payments listed card fees of 2.9% + $0.30, American Express at 3.25% + $0.30 and ACH at 1% with a $1 minimum. Where Bonsai Payments is available, using your own Stripe or PayPal instead added a 1% platform fee (1.35% for Amex). We could not reread the article today, so confirm current fees before you sign up.
  • Branding. Removing Bonsai branding from client-facing documents requires Premium.

For a coach, the contract piece is the most valuable part. A clear coaching agreement sets scope, confidentiality, cancellation terms and the line between coaching and therapy. Bonsai's contract templates are written for freelance services, so expect to edit them for coaching. Our guide to coaching contracts covers which clauses to include, and the article on coaching dispute clauses walks through a complaint and review process.

For comparison, Coachful sends a coaching agreement with e-signature before the first call and stores it on the client record. Payments run through your own Stripe Connect or Razorpay account, with one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay. Since August 2026 Coachful charges a 0% platform fee, so you pay only Stripe or Razorpay processing.

Can Bonsai deliver coaching programs between sessions?

No. Bonsai has no programs, courses, client habits, check-ins or community, according to its plan list and documented features. It manages the business around a client, not the coaching work the client does.

Premium adds client tasks and messaging, which is the closest Bonsai gets. You could assign a client a task such as "complete the values worksheet" and message them about it. That works for light accountability. It is not the same as a 12-week program where each week unlocks new material, the client logs a daily habit, answers a morning and evening check-in, and you see a progress bar move.

Bonsai does include scheduling from Essentials up, and Premium connects to Calendly and Google. So you can book sessions. What happens after the session is where the gap shows. If your clients pay for change over weeks or months, most of the value you deliver lives between calls, and Bonsai has nowhere to put it.

Coaches in this position usually bolt on a course platform, a community tool and a habit app. Each one has its own login for the client and its own bill for you. Our review of Coachful and the guide to group coaching software show what an all-in-one setup looks like instead.

What is the client experience like in Bonsai?

Clients get a client portal (Essentials and up) where they can see proposals, contracts and invoices. On Premium they also see tasks you assign and can message you.

For a freelance client, that portal is exactly right: they want to approve a quote, sign and pay. For a coaching client, it is thin. There is no home screen showing their goals, this week's program content, their habit streak or the next group call. Once the invoice is paid, the portal has little for a coaching client to do.

The other consideration is branding. Removing Bonsai branding requires Premium, and the custom domain is not yet released. A coach who wants a polished branded experience should budget for Premium per user.

How does Bonsai handle admin, time tracking and accounting?

Admin is Bonsai's home turf. Every plan includes time tracking and tasks, Essentials adds expense and income tracking, and Premium adds profit reports and integrations with QuickBooks, Xero and Zapier.

  • Time tracking (all plans). Useful if you bill hourly consulting or retainers with hour caps.
  • Projects, workload and Gantt (Premium). Planning views for multi-person delivery.
  • Elite extras. Custom permissions, timesheet locking, expense markups and custom data import, with a minimum of 3 users.
  • Data export. Clients, contacts and invoices export to CSV, based on our September 2026 profile.

Expense and income tracking helps at tax time, but it is not a replacement for proper bookkeeping. Rules on deductible expenses and sales tax vary by country and state, so check with an accountant or attorney before relying on any software's categories.

Coachful's admin side is coaching-shaped. Each client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with a status of thriving, active, quiet or at risk. There is an AI briefing per client before sessions. For credentialed coaches, ICF hour tracking counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log.

How much does Bonsai cost in 2026?

Bonsai costs $15, $25, $39 or $59 per user per month on monthly billing, or $9, $19, $29 or $49 per user per month billed yearly, as listed in October 2026. Elite needs at least 3 users. There is no free plan, and the trial lasts 7 days.

Tool and planMonthly billingBilled yearlyHow it scalesWhat it adds
CoachfulLite: $29/month for up to 5 clientsMonthly plans that cancel in one clickFlat plans, not per user; lower plans cap clients, unlimited from Pro: $99/month with unlimited clientsBooking, payments, contracts, programs with habits and check-ins, courses, community, website, funnels, email and the Michelle AI assistant

Bonsai Premium$39 per user$29 per userPer userDeals pipeline, custom fields, client tasks and messaging, profit reports, branding removal, QuickBooks, Xero, Zapier, Calendly and Google integrations
Bonsai Elite$59 per user$49 per userPer user, minimum 3 usersCustom permissions, timesheet locking, expense markups, custom data import

Bonsai advertises yearly billing as "up to 4 months free" and mentions a reduced rate for teams of 30 or more users (not listed). Onboarding is offered for teams of 10 or more, with no price shown. For the full plan breakdown, see our Bonsai pricing guide.

What would Bonsai cost a coach? Three worked examples

These are examples built only from the listed prices above, not quotes.

  • Solo coach who needs contracts, invoices and booking. Essentials for one user is $25 a month, or $19 a month billed yearly ($228 a year). Website, email and course tools are extra and not included in that figure.
  • Solo coach who wants client tasks, messaging and no Bonsai branding. Premium for one user is $39 a month, or $29 a month billed yearly ($348 a year).
  • Practice with three coaches on Elite. The 3-user minimum makes it $177 a month on monthly billing, or $147 a month billed yearly ($1,764 a year).

Because Bonsai charges per user, adding an associate coach raises the bill by a full seat. Coachful prices by plan instead: lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats. For a solo coach with 15 clients, the comparable Coachful line is Solo: $49/month for up to 20 clients. That one plan also covers the website, email, courses and community that you would pay for separately next to Bonsai.

What do public reviewers say about Bonsai?

On Trustpilot, Bonsai holds a 4.3 rating from 641 reviews, as seen on October 25, 2026. Most praise focuses on fast, helpful support and an easy setup; the complaints cluster around slow support for some users, login trouble and billing disputes.

Here is a paraphrased summary of the recurring themes we read on that page:

  • Support speed is the most common praise. Many reviewers describe support as fast and helpful when they ran into a problem.
  • Setup is described as easy. Reviewers describe the platform as intuitive and easy to set up.
  • The core features are valued. Invoicing, contracts and time tracking come up repeatedly as the reasons people stay.
  • Some found support slow or unhelpful. A minority report the opposite experience, and one reviewer wished for live chat style messaging support rather than waiting on a reply.
  • Recent updates felt clunky to some. A few reviewers say changes made the product harder to use than before.
  • Billing disputes appear. At least one reviewer describes being charged for an account they did not realize was still active and being refused a refund. If you trial Bonsai, note your renewal date and cancel in writing if you decide against it.

Trustpilot's page also noted that Bonsai has not recently invited customers to leave reviews and had not replied to negative reviews. For context, Coachful's Trustpilot rating is 4.5 from 21 reviews, a much smaller sample, so weigh both figures with that in mind. See our reviews page for more.

What are Bonsai's pros and cons for coaches?

Bonsai's pros are a mature proposal-to-payment flow, solid time tracking and accounting links. Its cons for coaches are the missing delivery tools, per-user pricing and a Basic plan that cannot take payments.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

Who is Bonsai best for?

Bonsai is best for coaches whose work looks like consulting: hourly or project-based engagements, proposals with scope, and invoices tied to time. Business, sales and executive coaches who sell advisory retainers to companies are the closest fit.

It works well if:

  • You send scoped proposals to companies and bill against hours or milestones.
  • You already have a website, email tool and course platform you like, and only want a better back office.
  • You need PayPal as a payment option.
  • You run a small agency with project managers who use Gantt and workload views.

It is a weak fit if:

  • You sell multi-week programs, group cohorts or memberships.
  • You want clients to track habits, answer check-ins or work through lessons between calls.
  • You want one login for clients across booking, content, progress and community.
  • You plan to add associate coaches and want costs that do not rise per seat.

Executive and business coaches weighing this trade-off can see what Coachful offers them on our pages for executive coaches and business coaches.

What are the best Bonsai alternatives for coaches?

For coaches who deliver programs, Coachful is the strongest alternative because it covers both the business wrapper and the coaching delivery in one login. HoneyBook and Dubsado are closer like-for-like swaps if you only want a different back office.

We rank on four criteria: one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including Coachful's free white-glove build).

1. Coachful: best for coaches who deliver programs

Coachful's client program view on a laptop and its habit tracker on a phone, beside a bonsai and journals
Coachful's client Programs view on a laptop and the Growing Habits tracker on a phone, beside a bonsai and a stack of journals.

Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing four to six tools. The company is based in Tallinn, Estonia.

Where Bonsai stops, Coachful keeps going:

  • Programs. Multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks.
  • Booking. Booking pages with availability rules, buffers, minimum notice and time-zone detection; two-way Google, Apple/iCloud and Outlook sync; built-in video or auto-created Zoom, Meet and Teams links; intake questions on booking. See scheduling software.
  • Payments and agreements. Your own Stripe Connect or Razorpay account, 0% Coachful platform fee, Stripe Tax, and e-signed coaching agreements before the first call. See coaching payment software.
  • Courses and community. Modules, lessons, drip and completion tracking; a community feed, group chat, direct messages and video events, with cohort groups created automatically on program enrollment.
  • Marketing. A section-based website builder with 30 designed homepage templates, booking, application, lead-magnet and checkout funnels, plus email lists, broadcasts and multi-step sequences.
  • Michelle, the AI assistant. Works from live practice data to build programs, draft emails, summarize recorded sessions and brief you before sessions. Questions and planning are included in the membership; confirmed builds and changes use AI credits.

Why Coachful stands out: a free white-glove service. On every plan, you can open Create, choose "We'll build it for you · FREE", and describe what you want built: a website, funnel, sales page, program, course outline, email sequence, form, lead quiz or something else. You can attach up to 8 reference links and up to 10 files such as logos, photos, brand guides and copy. The Coachful team builds it inside your own account, usually within about 24 hours, and leaves gaps for you rather than inventing credentials, testimonials or prices. One leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. A business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up guide funnel and rewritten follow-up emails. Read more about the free white-glove service.

What Coachful does not do. It is not HIPAA-certified and offers no BAA, so it is not for clinical record-keeping or insurance billing. It does not support PayPal, which matters if your clients pay that way. There is no permanent free plan. The client app ships under the Coachful listing with your branding, not your own App Store account. It has no multi-stage deal board for large sales teams and no Salesforce or HubSpot integration. Coachful is built around programs and sessions rather than agency-style timesheets and Gantt charts, so a coach who bills mostly by tracked hours may prefer Bonsai's time tools.

How to start. Start a free trial, then request a white-glove build for your website or first program. During onboarding, your clients, programs and content are imported for you, and monthly plans cancel in one click. Current plans: (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients).

Pick Bonsai over Coachful if you bill mostly by tracked hours, need PayPal, or run agency projects with Gantt views and timesheet locking.

2. HoneyBook: best for service businesses that want a client CRM

HoneyBook homepage with its headline and sign-up button
HoneyBook's homepage in October 2026.

HoneyBook is a client-management CRM for service businesses, with proposals, contracts, invoices, a scheduler and a client portal. Like Bonsai, it has no coaching delivery: no programs, courses, habits, check-ins or community.

As listed in October 2026, Starter is $29 a month billed yearly with unlimited clients and projects and 2 live lead forms. Essentials is $59 a month ($49 billed yearly) for up to 2 team members and 10 lead forms. Premium is $129 a month ($109 billed yearly) with unlimited team members. The scheduler and automations start on Essentials. The trial is 30 days with no card required.

HoneyBook pricing page showing Starter, Essentials and Premium plans
HoneyBook's pricing page in October 2026.

Payments run through HoneyBook's own processing. Its pricing page conflicts on card rates, showing 2.7% + 10¢ in the FAQ and 2.9% + 25¢ in the plan comparison; ACH is 1.5% and instant deposit is 1%. HoneyBook holds a Trustpilot 4.1 from 748 reviews, seen on October 25, 2026. Unlike Bonsai, it prices by plan and team size rather than per user, which can help a two-person practice.

Pick it over Coachful if you mainly sell one-off services, want a longer trial of a pure client CRM, and already deliver your coaching content somewhere else.

3. Dubsado: best for coaches who want detailed automated workflows

Dubsado homepage with its headline and trial button
Dubsado's homepage in October 2026.

Dubsado is a client workflow CRM with forms, contracts, invoices, a scheduler and automated workflows. Dubsado itself says it does not include website building and is not an email marketing platform, and it has no courses, client community, habits or check-ins.

As listed in October 2026, Starter is $35 a month ($27.92 billed yearly) with unlimited clients and projects and 1 active lead-capture form. Premier is $55 a month ($43.75 billed yearly) with unlimited lead forms. The scheduler and automations are on Premier only. The trial is 21 days with full Premier access and no card required. Dubsado states no platform fee of its own; processor rates apply, and optional surcharging can pass card costs to the client.

Dubsado pricing page showing Starter and Premier plans
Dubsado's pricing page in October 2026.

Its mobile app is a companion, and full functionality needs the desktop web app. Its Trustpilot listing showed a 3.7 from a single review on October 25, 2026, which is too small a sample to mean much.

Pick it over Coachful if your main need is intricate, rule-based client workflows for paperwork and you are happy to keep your website, email and program delivery in separate tools.

Other coaching-specific tools to consider

If you want a coaching-first tool but are not sure about Coachful, our reviews of Paperbell and Practice Better cover two platforms that sit closer to coaching than Bonsai does. For booking alone, see the Calendly review, and for side-by-side views, the comparison hub.

What should you check before switching from Bonsai?

Before you move, export your data, list what each client is mid-way through, and check renewal dates.

Coachful's session calendar on a monitor and its client dashboard on a tablet in a lamp-lit workspace
Coachful's monthly session calendar on a monitor and the client dashboard on a tablet, next to a bonsai and a paper planner.
  1. Export from Bonsai. Clients, contacts and invoices export to CSV. Save copies of signed contracts as PDFs.
  2. Note active payment plans. Recurring charges set up in Bonsai or its processor will not move automatically. Plan when each client switches to the new checkout.
  3. Check your renewal date. Given the billing complaints some reviewers describe, cancel in writing and keep the confirmation.
  4. Rebuild your agreement for coaching. A move is a good moment to add coaching-specific clauses on scope, confidentiality and referral to other professionals.
  5. Decide what you will deliver between sessions. If you are moving to a coaching platform, map your first program week by week before inviting clients.

If you move to Coachful, clients, programs and content are imported for you during onboarding, and the white-glove team can rebuild your website or first funnel. Our guides to session notes software and automating call summaries help you set up the note-taking side.

Our verdict: is Bonsai worth it for coaches?

Bonsai is worth it for coaches who work like consultants and only need a reliable proposal, contract, invoice and time tracking system. For coaches who sell programs, groups or ongoing transformation, it covers only half the job, and the per-user pricing makes growing a team more expensive.

The things Bonsai does, it does with care: the selling flow is clean, the admin tools are mature and reviewers often praise its support. But a coaching client pays for what changes between sessions, and Bonsai has no place for that work. Adding a course tool, a community and a habit app on top brings back the tool sprawl most coaches are trying to escape.

If that describes you, Coachful is the better fit: one login for booking, payments, agreements, programs, habits, check-ins, courses, community, website and email, plus a free white-glove build to get set up. Start with our coaching software overview or go straight to setup.

Frequently asked questions about Bonsai

Is Bonsai good for life coaches?

Bonsai can handle a life coach's contracts, invoices and booking from the Essentials plan up. It cannot deliver the coaching itself, because it has no programs, habits, check-ins, courses or community. Life coaches who run structured programs usually need a coaching platform instead; see our page for life coaches.

How much does Bonsai cost per month?

As listed in October 2026, Bonsai costs $15, $25, $39 or $59 per user per month on monthly billing, or $9, $19, $29 or $49 per user per month billed yearly. Elite requires at least 3 users. Invoicing and payments start on Essentials.

Does Bonsai have a free plan?

No. Bonsai offers a 7-day trial with full access and does not require a card to start. At the end you choose a plan and enter card details if you have not already.

Does Bonsai take a fee on payments?

The pricing page links fees out to its help center. In our September 2026 check, Bonsai Payments listed 2.9% + $0.30 for cards, 3.25% + $0.30 for Amex and 1% for ACH with a $1 minimum, and using your own Stripe or PayPal where Bonsai Payments is available added a 1% platform fee. Confirm the current figures before you sign up.

Can I run group coaching programs in Bonsai?

Not in any structured way. Bonsai has no cohorts, program weeks, community feed or group chat. Premium adds client tasks and messaging, which helps with one-to-one accountability but not group delivery.

Is Bonsai HIPAA compliant?

HIPAA compliance does not appear in Bonsai's plan list as of October 2026, so check with Bonsai directly if you handle health information. Coachful is not HIPAA-certified either and offers no BAA, so neither tool should be used for clinical records. Coaching is not treatment; refer clients to a licensed professional when their needs go beyond coaching.

What is the best Bonsai alternative for coaches?

For coaches who deliver programs, Coachful is the strongest alternative because it adds programs, habits, check-ins, courses, community, website and email to booking, contracts and payments in one login. HoneyBook and Dubsado are closer swaps if you only want a different back office.

What is Coachful's free white-glove service?

On every Coachful plan, you can ask the team to build a website, funnel, sales page, program, course outline, email sequence or similar inside your own account. You describe what you want and attach up to 8 links and 10 files, and the build usually arrives within about 24 hours. It does not include recording videos, logo design, ad management or ongoing marketing.

Can I move my clients from Bonsai to Coachful?

Yes. Export your clients and invoices from Bonsai as CSV files, and Coachful imports your clients, programs and content for you during onboarding. Plan the switch of any recurring payments so clients are not charged twice.
