Circle vs Paperbell (2026): Which Fits Your Coaching?

Circle vs Paperbell (2026): Which Fits Your Coaching?

Circle vs Paperbell comes down to which half of your coaching business you need software for. Circle is a community platform: spaces, courses, live events and paid memberships, with no 1:1 booking or client back office. Paperbell is a 1:1 admin tool: booking, packages, payments, contracts and a simple client portal, with no real community. If you sell group access and content, Circle fits. If you sell sessions and packages, Paperbell fits. If you sell both, you end up paying for both, which is where a third option comes in.

We make Coachful, a coaching platform that covers both halves under one login, so we have an obvious interest here. This article stays factual about Circle and Paperbell, using what each vendor lists on its own pricing page in October 2026 and what public reviewers report. We have not run either tool in a live practice, so we describe what they document rather than claiming hands-on tests.

What is the short answer by use case?

Pick by what you deliver most often. Circle suits coaches whose main product is a group space with courses and events; Paperbell suits solo coaches whose main product is 1:1 sessions sold as packages.

  • You run a paid membership, mastermind or cohort community: Circle is the stronger of the two. Paperbell lists group coaching and online classes, but it has no community feed, member directory or gamification.
  • You sell 1:1 sessions and session packages: Paperbell is the stronger of the two. Circle has no booking pages, availability rules or client management for individual clients.
  • You want predictable cost with no fee on revenue: Paperbell charges one flat price and states "no additional transaction fees". Circle takes 0.5% to 2% of payments, depending on plan, on top of Stripe processing.
  • You need a branded mobile app: neither is easy. Circle's apps carry Circle's name below the custom-priced Circle Plus plan, and Paperbell has no native mobile app according to older profile data.
  • You deliver multi-week programs with habits, check-ins and community, plus 1:1 sessions: neither covers it alone. That is the case for Coachful, which we cover honestly further down, including when it is the wrong pick.

Our criteria in one line: one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including Coachful's free white-glove build). On those four, Coachful leads; on narrower jobs, Circle or Paperbell can still be the better buy.

How do Circle and Paperbell compare side by side?

The table below lines up what each vendor lists in October 2026. Circle's facts come from its pricing page; Paperbell's from its pricing page plus older profile data where noted.

Ratings tell a similar story from the user side. As listed in October 2026, Circle holds 4.1 on Trustpilot from 129 reviews and Paperbell holds 3.5 from 14 reviews. Coachful holds 4.5 from 21. Small review counts move quickly, so treat these as a signal rather than a verdict.

What do Circle and Paperbell cost?

Paperbell costs $97 a month or $970 a year for everything, with unlimited clients. Circle starts at $89 a month on annual billing for its Professional plan, then adds a percentage of every payment and optional add-ons.

Tool and planPrice (as listed in October 2026)Main limitsFee on paymentsTrial

Paperbell$97/month, or $970/yearUnlimited clients, sessions, files, packagesNone stated; Stripe or PayPal fees apply"Try For Free" (length not on pricing page); 30-day money-back guarantee

Two details matter more than the headline numbers. First, Circle's pricing page shows annual prices only. Older profile data had Professional at $129 and Business at $219 when billed monthly, so if you want to pay month to month, confirm the current figure at checkout. Second, Circle's add-ons are priced separately: Email Hub is $99 a month for 10,000 contacts, extra admins are $10 a month each, extra live attendees are $20 a month per 100, extra live hours are $50 a month per 10 hours, and on Professional, branded email notifications add $40 a month and custom profile fields add $49 a month. AI credits beyond the allowance are $10 per 1,000.

Paperbell's trial deserves a note too. Its pricing page shows a "Try For Free" button without a stated length. Its help center, as recorded in July 2026, described a 7-day trial with the public site offline and client messages and SMS switched off, so you can explore the back office but not run real clients through it until you pay. The 30-day money-back guarantee covers you after that.

What does it cost if you need both?

If you sell both 1:1 and group work, the usual answer with these two tools is to run both: Paperbell for 1:1 clients and Circle for the group. The example below uses list prices and an illustrative revenue figure, so swap in your own numbers.

SetupMonthly software costPlatform fee on an example of 2,000 USD a month in community salesLogins your clients use
Coachful (unlimited-client plan)Pro: $99/month with unlimited clients0% platform feeOne branded app
Paperbell plus Circle Professional$97 plus $89 (annual rate) = $186$40 (Circle's 2%)Two
Paperbell plus Circle Business$97 plus $199 (annual rate) = $296$20 (Circle's 1%)Two
Circle Professional plus a separate booking tool$89 plus your booking tool$40 (Circle's 2%)Two

The example assumes 40 members paying 50 USD a month through Circle. Stripe processing applies on every option and is left out because it is the same across all of them. For a deeper breakdown of Circle's tiers, see our Circle pricing guide.

How do scheduling and client management compare?

Paperbell wins this category outright, because Circle does not offer 1:1 scheduling or a client back office at all. If individual sessions are a meaningful share of your income, Circle alone will not cover you.

Paperbell's pricing page lists scheduling, video call integration, notes, forms and a client portal in its single plan. Clients book through your Paperbell pages, pay for a package, and see their sessions in the portal. Paperbell is built per coach, so it is aimed at solo practices rather than teams with shared calendars.

Circle's strengths sit elsewhere: live events, live streams and a member directory. A coach who uses Circle for group work has to link out to a separate booking tool for 1:1 calls, which means a second login for you, a second place for clients to go, and session history that lives outside the community where the rest of the relationship happens. Our guide to Circle alternatives with 1:1 coaching covers this gap in depth.

Neither tool tracks a client between sessions in a structured way. Circle has no per-client habits, check-ins or coaching plans. Paperbell, per older profile data, has no goal or habit tracking either. The record you get from Paperbell is an admin record (sessions, payments, notes, forms), not a progress record.

Coachful's sessions calendar with demo 1:1 coaching, morning accountability calls and weekly group sessions colour-coded across September 2026.

For comparison, Coachful's booking pages include availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync and built-in video or auto-created Zoom, Meet or Teams links. The client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, and flags each client as thriving, active, quiet or at risk. More on that on our scheduling software page.

How do payments, packages and contracts compare?

Paperbell is the more complete tool for selling coaching itself: packages, payments and contracts in one checkout, with no fee on top of processing. Circle handles paid memberships and course sales well, but it has no coaching agreements and charges a platform percentage.

Paperbell's plan lists payments and packages, contracts and email workflows. Older profile data shows it accepts both Stripe and PayPal, which matters if a share of your clients prefer PayPal. It states "no additional transaction fees", so the only deduction is the processor's cut.

Circle runs payments through Circle Payments, powered by Stripe. You can sell memberships, courses and event access. Circle takes 2% on Professional, 1% on Business and Scale, and 0.5% on Circle Plus, which on a growing community adds up: the example above shows 40 USD a month on 2,000 USD of sales on Professional, and the fee grows with every new member.

Contracts are where the gap is clearest. Paperbell includes client contracts in its flow. Circle has no coaching agreement feature, so you would send agreements through a separate e-signature tool and track who has signed outside the platform.

Coachful Agreements tab with a drop area for signed PDFs
The Agreements tab in Coachful, shown empty, with a drop area for a signed PDF and the coach navigation on the left.

Coachful sends coaching agreements with e-signature before the first call and stores them on the client record; see our coaching contracts page. Payments run through your own Stripe Connect or Razorpay account with one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay, Google Pay and Stripe Tax. Coachful has charged a 0% platform fee since August 2026. It does not support PayPal, so if PayPal is essential to your clients, Paperbell has the edge there.

Which is better for courses, community and group coaching?

Circle is clearly better here. Community is its core product, with courses, live events, a member directory, gamification and analytics on every plan, while Paperbell offers group coaching and online classes without a community layer.

In Circle, members join spaces, post, comment and attend live sessions inside the same app where they take courses. Business and higher plans add workflows (20 automations, 20 scheduled and 20 bulk actions a month on Business, unlimited on Scale) and activity scores, which help a community manager spot members going quiet. Circle's apps for iOS, Android and desktop are included, but they carry Circle's branding unless you are on custom-priced Circle Plus.

Paperbell's pricing page now lists online classes and digital downloads among its included features, alongside group coaching. That makes it workable for a small group program where people meet on calls and download worksheets. It is not a place where members talk to each other between calls, per older profile data, and it is not a full course platform.

The limitation shared by both: neither connects group content to individual progress. In Circle you can see that a member posted; you cannot see whether they did the habit you assigned this week. In Paperbell you can see a member booked; you cannot see the rest of their week.

Build your platform

Can either one run your website and marketing?

Partly. Circle lists a website and custom domain, plus an Email Hub add-on for marketing email; Paperbell includes a simple coaching website and email workflows. Neither is a funnel builder.

Circle's website is a public front door to the community, and its Email Hub adds broadcast email at $99 a month for 10,000 contacts (the first 30 days are free, and it is included in Circle Plus). Paperbell's coaching website covers a services page, packages and booking, and its email workflows handle client communication around purchases and sessions. Coaches who want lead-magnet funnels, sales pages with order bumps or pixel tracking usually add another tool on top of either. Our roundup of Paperbell alternatives with a website goes further on this.

Booking, application, lead-magnet and checkout funnels come with pixels and UTM tracking, alongside email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits. The coach website builder page has the details.

What do your clients experience on each?

On Circle, a client experiences a community app; on Paperbell, a booking and payment portal. Neither gives a client one place for sessions, daily work, content and group conversation together.

A Circle member downloads the Circle app (or opens it in a browser), finds your community, and moves between spaces, courses and events. It feels social and active when the community is busy. If you also coach that member 1:1, they leave the app to book, pay and see session notes elsewhere.

A Paperbell client receives a link, picks a package, signs the contract, pays and books. Their portal shows sessions, files and forms. Per older profile data, there is no native mobile app, so clients use a mobile browser. It is tidy and quick for admin. What happens between sessions, such as journaling, habits or a check-in on Wednesday, is not part of the portal.

This is the gap we built Coachful around. A Coachful client opens one app with your branding (it ships under the Coachful listing, not your own App Store account) and sees their next session, their current program week, habits, morning and evening check-ins, goals with progress bars, courses, and your community. Here is how a program looks from the coach's side:

Which should you pick for your kind of coaching?

Match the tool to the shape of your offer. The table below summarizes it, with our own product listed first and the honest case for each alternative.

PaperbellSolo coaches selling 1:1 packages who want simple, flat-priced admin with PayPalYou run a community, want a mobile app, or track client habits and progress
  • Executive and business coaches with mostly 1:1 clients: Paperbell covers the admin. If you also want ICF hour tracking or pre-session briefings, look at Coachful for business coaches.
  • Mastermind and membership hosts: Circle, especially if you expect hundreds of members and need moderators and workflows.
  • Health, fitness and wellness coaches: neither tool tracks habits or check-ins, which is most of the work between sessions. Coachful does, and its Fitness & Nutrition pack adds workouts, nutrition targets and progress photos.
  • New coaches with a handful of clients: the lowest total cost is usually a plan capped at a few clients. Paperbell's flat price buys unlimited clients you may not have yet.

Is there a third option that does both?

Yes. Coachful is a coaching platform that covers booking, payments, contracts, programs with habits and check-ins, courses, community, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your clients. It is built for coaches who deliver programs, not just sessions, and for coaches replacing four to six tools.

When Coachful beats both

  • Your clients do work between sessions. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goal progress bars and streaks. Circle and Paperbell have none of these.
  • You sell 1:1 and group together. Booking, paid sessions, session credits and round-robin assignment sit next to the community feed and cohort groups. No second login for you or your clients.
  • You want no percentage on revenue and one bill. Coachful takes a 0% platform fee; Circle takes up to 2%. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.
  • You want help with the work, not just the tool. Michelle, the built-in AI assistant, works from your live practice data: she builds programs, drafts emails, summarizes recorded sessions and briefs you before each call. The AI Coach lets selected clients chat with an AI version of you between sessions. ICF credential tracking counts hours and clients toward ACC, PCC and MCC; see ICF hour tracking.

When Coachful does not beat them

  • You need PayPal. Coachful supports Stripe Connect and Razorpay only. Paperbell supports PayPal.
  • Your community is the whole product and runs to thousands of members. Circle's moderators, workflows, APIs, SSO and AI agents are built for that scale.
  • You need your app in your own App Store account. Coachful's client app carries your branding inside the Coachful listing. Circle offers fully branded apps on Circle Plus.
  • You need HIPAA coverage. Coachful is not HIPAA-certified and does not sign a BAA, so clinical records belong in a clinical system.
  • You need wearable sync. There is no Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not publicly available.

Why Coachful stands out: a free white-glove service. On every plan, you can open Create, choose "We'll build it for you", describe what you want (a website, funnel, sales page, program, course outline, email sequence, form and more) and attach up to 8 reference links and 10 files. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and any gaps are left for you to fill. Recent builds include a somatic coach leaving Kajabi who had their homepage and About page rebuilt with the contact form connected, and a leadership coach with a Squarespace renewal days away who got one clean homepage with a repeated "talk with me" button. How do you switch without losing clients or members?

Export what each platform lets you export, move active clients first, and run both systems side by side for one billing cycle. The details differ by platform.

  1. From Circle: per older profile data, members and subscriptions export as CSV at any time, but posts and content have no bulk export. Save course material from your own source files, and plan to recreate key community threads. Our guide on migrating from Circle walks through the order.
  2. From Paperbell: client lists and history live in the Clients area. A documented CSV export was not verified in older profile data, so check what you can download before you cancel, and save contracts and notes you need to keep.
  3. Move active paying clients first. Recreate packages and subscriptions in the new system before switching anyone's billing, so nobody is charged twice or not at all.
  4. Tell clients once, clearly. One email with the new link, what changes for them, and the date the old portal closes.

With Coachful, clients, programs and content are imported for you during onboarding, and you can export your full client data as a ZIP at any time. Our Paperbell alternative and Coachful vs Circle pages cover each switch in more detail.

What is the final verdict on Circle vs Paperbell?

Circle is the better community platform; Paperbell is the better 1:1 admin tool. They solve different problems, so the right choice depends on whether your clients mostly talk to each other or mostly meet with you.

If you only need one of those halves, pick the matching tool and keep it simple. If your coaching is a program, with sessions, daily work, content and a group all feeding the same result, running Circle and Paperbell together means two bills, two logins and a client record split down the middle. That is the case where Coachful is the stronger choice, and the free white-glove build removes most of the setup effort. Frequently asked questions

Is Circle or Paperbell cheaper?

Circle Professional lists a lower base price, $89 a month on annual billing, against Paperbell's $97 a month or $970 a year. Circle then takes 2% of payments on Professional, while Paperbell states no additional transaction fees. Once your community sales pass a few hundred dollars a month, the gap narrows quickly.

Can Paperbell host a community like Circle?

Not in the same way. Paperbell lists group coaching, online classes and digital downloads, but older profile data shows no community feed, member directory or member-to-member discussion. Coaches who need that typically add a community tool alongside it.

Can Circle handle 1:1 coaching sessions?

Circle has no 1:1 booking pages, availability rules or client management back office. You can run live events and streams for groups, but individual sessions need a separate scheduling tool and a separate place to keep client records.

Does Circle take a cut of my sales?

Yes. As listed in October 2026, Circle charges 2% on Professional, 1% on Business and Scale, and 0.5% on Circle Plus, on top of Stripe processing. Paperbell states no additional transaction fees beyond processor costs.

Does either have a free trial?

Circle offers a 14-day free trial on Professional, Business and Scale with no credit card required. Paperbell shows a "Try For Free" button without a stated length; its help center in July 2026 described a 7-day trial with the public site offline, plus a 30-day money-back guarantee.

Which has a better mobile app for clients?

Circle includes iOS, Android and desktop apps, branded as Circle unless you are on custom-priced Circle Plus. Paperbell has no native mobile app per older profile data, so clients use a mobile browser. Coachful's client app shows your branding inside the Coachful listing.

Can I use Circle and Paperbell together?

Yes: Paperbell for 1:1 packages and Circle for the group. The trade-off is two subscriptions, two logins for clients, and session and community activity stored in separate places, with no shared view of each client's progress.

What is Coachful's free white-glove service?

On every Coachful plan, you can request a build from Create by describing what you want and attaching up to 8 links and 10 files. The team builds your website, funnel, program, course outline, email sequence or similar inside your account, usually within about 24 hours. It does not include recording videos, logo design, ad management or ongoing marketing.

Is Coachful suitable for health or therapy-adjacent coaching?

Coachful suits health and wellness coaching, where habits and check-ins matter. Coaching is not medical treatment, so refer clients to a doctor or licensed therapist for diagnosis, medication or mental health conditions. Coachful is not HIPAA-certified, so clinical records belong in a clinical system; see our page for health coaches.

Which is better for a new coach?

If you only coach 1:1 and want simple admin with PayPal, Paperbell is straightforward. If your first offer is a group program, Circle's 14-day trial is an easy way to test it. If you plan to grow into programs with both, starting on one platform saves a migration later.
