CoachAccountable vs Dubsado: Which Fits Coaches in 2026?

CoachAccountable vs Dubsado: Which Fits Coaches in 2026?

If you are weighing coachaccountable vs dubsado, the short answer is this: CoachAccountable is a coaching back office built around action plans, metrics and worksheets, priced per active client, while Dubsado is a client workflow CRM built around forms, contracts, invoices and automated workflows, priced at a flat rate with unlimited clients. CoachAccountable fits coaches who want structured accountability between sessions and have a modest roster. Dubsado fits coaches who run a high volume of paperwork and want cheap, flat pricing, and who do not need the software to deliver the coaching itself.

Neither tool covers the whole job. CoachAccountable has no website or marketing tools by its older public profile, and Dubsado says plainly that it does not build websites and is not an email marketing platform. That gap is why this comparison ends with a third option, Coachful, and an honest look at when it beats both and when it does not. We make Coachful, so we have kept every vendor fact tied to what the vendors publish, as listed in October 2026.

What is the short answer by use case?

Pick by the shape of your practice, not by the feature list. The table below gives the quick verdict; the rest of the article explains it.

  • You coach a small roster deeply, with homework and metrics between calls: CoachAccountable over Dubsado. Its action plans, metrics and worksheets are made for accountability.
  • You run many short engagements with proposals, contracts and invoices: Dubsado over CoachAccountable. Flat pricing with unlimited clients beats per-client pricing once your roster grows.
  • You sell group programs to dozens of people: neither is a great fit. CoachAccountable's per-client pricing climbs fast, and Dubsado has no courses, community, habits or check-ins.
  • You want your website, funnels, email, booking, payments and program delivery in one login: Coachful, covered in its own section below.

Ranking criteria for this article: one login for the whole client journey, delivery between sessions, total stack cost at your client count, and the effort to get set up.

Build your platform

What are CoachAccountable and Dubsado, exactly?

CoachAccountable is software made for coaches; Dubsado is software made for service businesses in general that many coaches use. That origin explains most of the differences that follow.

CoachAccountable in one paragraph

CoachAccountable is a coaching back office. Its core is the coaching relationship: sessions, action plans with due dates, metrics that clients report on, worksheets, courses, invoicing and agreements. Every plan carries the full feature set, with unlimited coaches and admins, and the pricing page states there are no add-ons to purchase and no discounts. The catch is the price model: you pay by the number of active clients. On Trustpilot it held a 4.8 rating from 47 reviews when we looked in October 2026. Our CoachAccountable review goes deeper.

Dubsado in one paragraph

Dubsado is a client workflow CRM. It handles lead capture forms, proposals, contracts, invoices, a client portal, a scheduler and automated workflows it calls Flows. It is priced flat with unlimited clients and projects, which makes it inexpensive for high-volume service work. It does not deliver coaching: there are no courses, client community, habits or check-ins, and its mobile app is a companion, with full functionality in the desktop web app. Its Trustpilot page had a single review in October 2026, which is too few to mean anything. See our Dubsado review for the full picture.

How do CoachAccountable and Dubsado compare side by side?

CoachAccountable wins on coaching depth; Dubsado wins on paperwork automation and price at volume. Here is how the core jobs line up, with Coachful alongside for reference.

How does pricing compare between CoachAccountable and Dubsado?

Dubsado is cheaper for almost every coach with more than five clients, because it charges a flat fee while CoachAccountable charges per active client. CoachAccountable can be cheaper only for very small rosters.

CoachAccountable's ladder, as listed in October 2026: $20/month for 2 active clients, $40 for 5, $70 for 10, $120 for 20, $200 for 35, $250 for 50, $340 for 75, $400 for 100, and on up to $4,000 for 1,000. Only active clients count, so a client you finish with stops costing you. There is no annual discount; its pricing page answers that question with a flat "Nope!". The trial is 30 days, with no credit card and no limits. Full detail is in our CoachAccountable pricing guide.

Dubsado has two plans. Starter is $35/month or $335/year (about $27.92/month), with unlimited clients but only one active lead-capture form and no scheduler or automated workflows. Premier is $55/month or $525/year (about $43.75/month) and adds the scheduler, Flows, bookkeeping integration, public proposals and Zapier. Those prices apply to new subscribers since December 1, 2025. Teams of up to 3 additional members are included; 4 to 10 users add $25/month, and each additional brand is $10/month. The trial runs 21 days with full Premier access and no card. Our Dubsado pricing breakdown covers the history.

The table below shows what each tool costs at common roster sizes, using list prices on monthly billing. Coachful sits first; its cells show the plan that covers that roster.

Tool5 clients10 clients20 clients50 clientsFree trial

Dubsado Premier$55/month$55/month$55/month$55/month21 days, no card

A worked example: the cost of a year

Take an illustrative coach with 15 active 1:1 clients. On CoachAccountable they need the 20-client tier at $120/month, or $1,440 a year, with no annual discount available. On Dubsado Premier billed yearly, the same coach pays $525 a year. That is a gap of $915 a year in Dubsado's favour on software alone.

But the comparison is not complete. Neither price includes a website, email marketing or a place to deliver courses and community. A coach who adds a website builder, an email tool and a course or community platform pays for each one separately, and the true cost of either stack is the sum. If you want to compare a single subscription instead, Coachful's plan covering 15 clients is Solo: $49/month for up to 20 clients, with website, funnels, email and delivery included in your Coachful membership.

Payment fees

Neither vendor states a platform cut of client payments on its pricing page, so expect your processor's standard rates. Dubsado also lets you optionally pass card costs to the client through surcharging. Coachful has charged a 0% platform fee since August 2026; you pay only Stripe or Razorpay processing.

Which is better for booking and scheduling?

CoachAccountable includes scheduling on every plan; Dubsado includes it only on Premier. If you would choose Dubsado Starter to save money, know that you would need a separate booking tool.

Dubsado's scheduler, once on Premier, ties into its Flows, so a booking can trigger a contract, an invoice and a questionnaire in sequence. That is its strength: it treats a booking as the first step in a paperwork pipeline. CoachAccountable treats sessions as part of the coaching record, so notes, action items and metrics sit next to each appointment. Which matters more depends on whether your bottleneck is admin or follow-through.

For reference, Coachful's booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync, auto-created Zoom, Meet or Teams links, email reminders, and SMS (24 hours before) and WhatsApp (1 hour before) reminders once messaging is enabled. More on the scheduling software page.

Which handles contracts, invoices and payments better?

Dubsado is stronger on paperwork; CoachAccountable is adequate. This is the core of what Dubsado does, and it shows.

Dubsado offers contracts and invoicing on both plans, public proposals on Premier, and Dubsado Payments powered by Stripe with cards, ACH, Klarna, Affirm and Tap to Pay, plus PayPal and Square. For a coach who sends a proposal, collects a signature and a deposit, then bills in instalments, Dubsado's pipeline is well built.

CoachAccountable handles invoicing and agreements inside the coaching record, with Stripe, Square and PayPal per its older public profile. It does the job without the proposal machinery.

In Coachful, coaching agreements with e-signature go out before the first call and are stored on the client record, and payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay, Google Pay and Stripe Tax, with an invoice per transaction plus manual invoices. Coachful does not support PayPal, which matters if your clients expect it. See coaching contracts for how agreements work.

Which is better for accountability between sessions?

CoachAccountable, clearly. Dubsado has no tools for the coaching itself: no habits, check-ins, courses or community.

CoachAccountable's action plans let you assign tasks with due dates, its metrics let clients report numbers over time, and its worksheets give structure to reflection. Courses sit alongside. For a 1:1 coach whose value lives in follow-through, this is the reason to choose it.

Dubsado's client portal shows forms, contracts and invoices. Coaching work between calls would need another tool, which is the gap our guide on running client onboarding without Dubsado addresses.

Coachful goes further than either on delivery: multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks, plus courses with drip and completion tracking, and a community feed with cohort groups created automatically when someone enrolls. If you want to track habits specifically, see how to track client habits without CoachAccountable.

Which gives clients the better experience?

CoachAccountable gives clients more to do; Dubsado gives clients a cleaner path through paperwork. Neither gives clients a native branded app, by their public documentation.

A CoachAccountable client logs in to see action items, metrics to report and worksheets to complete. That is useful, but it is web based, with no native mobile app per its older profile, so clients work through a browser on their phone. One genuine plus: previous clients keep lifetime access to their records.

A Dubsado client sees a portal of forms, contracts and invoices. It is tidy and professional for onboarding and billing, but once the paperwork is signed there is little reason for the client to return to it. Dubsado's mobile app is a companion for the business owner, not a client coaching app.

In Coachful, the client gets one branded home and app: the next session, pre-session work, programs, habits, check-ins, courses and community in one place. The app runs under the Coachful listing with your branding, not under your own App Store account.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

What about websites, funnels and email marketing?

Neither CoachAccountable nor Dubsado builds websites or sends marketing email. You will need separate tools for both whichever one you pick.

Dubsado says this itself: it does not include website building and is not an email marketing platform. Its lead capture forms can be embedded on your site, which is how most coaches connect it. CoachAccountable's older public profile lists no landing pages, website or marketing automation. For either, the usual stack adds a website builder and an email platform, each with its own bill and login.

Coachful includes a section-based website builder with a blog, custom domain, SEO settings and 30 designed homepage templates; booking, application, lead-magnet and checkout funnels with pixels and UTM tracking; a link-in-bio page that sells; and email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits. The coach website builder page shows more.

How do they handle teams, data export and migration?

CoachAccountable is generous with teams: unlimited coaches and admins on every plan. Dubsado includes up to 3 additional team members and charges $25/month for 4 to 10 users.

On data, CoachAccountable offers a per-client export of full coaching history from the Clients tab, plus bulk CSV import. Dubsado exports contacts to CSV with selectable fields, and invoices and bookkeeping data are exportable, but forms and templates were not portable per its older profile. If you are planning a move, read how to migrate from Dubsado or how to migrate from CoachAccountable.

Coachful offers a full client data export as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses) and course export. Clients, programs and content are imported for you during onboarding.

Which should you pick for your kind of coaching?

Is there a third option that beats both?

For many coaches, yes: Coachful covers what CoachAccountable does for delivery and what Dubsado does for paperwork, and adds the website and email both of them leave out. It is not the right pick for everyone, and we say where below.

Coachful check-in flows on a laptop and a client's program view on a tablet
Coachful's coaching flows library with morning and evening check-ins on a laptop, beside a client's group program view on a tablet.

What Coachful is. Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for the coach and one branded app for the client. It is built for coaches who deliver programs, not just sessions; solo coaches growing into a small team; and coaches replacing 4 to 6 tools. The company is based in Tallinn, Estonia, and holds a Trustpilot rating of 4.5 from 21 reviews.

Here is a short walkthrough of how programs are built and delivered:

Where Coachful beats CoachAccountable

  • Price at scale. Coachful's Pro plan is unlimited, so your bill does not climb with each new client the way a per-active-client ladder does. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.
  • Marketing. Website, funnels, email sequences, a social planner and Instagram DM automations live in the same account.
  • Group delivery. Cohort groups, community feed, group calls and webinars sit next to 1:1 work.
  • Client app. Clients get your branding inside the Coachful app.
  • ICF hours. Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log. See ICF hour tracking.

Where Coachful beats Dubsado

  • Coaching delivery. Programs, habits, check-ins, courses and community, none of which Dubsado offers.
  • Website and email. Dubsado sends you elsewhere for both.
  • Booking on every plan. No plan tier without a scheduler.
  • Michelle, the AI assistant. Michelle works from your live practice data: she builds programs, drafts emails, summarizes recorded sessions and briefs you before each session. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits.

When Coachful does not beat them

  • You need PayPal. Coachful has no PayPal; both CoachAccountable and Dubsado support it.
  • You run a proposal-heavy sales pipeline. Dubsado's proposals and multi-step paperwork Flows are more mature. Coachful has no multi-stage sales deal board for large teams and no Salesforce or HubSpot integration.
  • You have only two clients and want the lowest bill. CoachAccountable's Starter tier is hard to undercut for a tiny roster.
  • You need unlimited admins for free. CoachAccountable includes unlimited coaches and admins on every plan; Coachful adds coach seats on its Studio and Agency team plans.
  • You keep clinical records. Coachful is not HIPAA-certified and offers no BAA, and CoachAccountable states it is not HIPAA compliant either (older profile). Clinical work belongs in a clinical system.
  • You need wearable sync. Coachful has no Garmin, Fitbit, Whoop or Oura sync.

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you from Create > We'll build it for you: a website, a funnel, a sales page, a program, a course outline and written material, an email sequence, a form, a lead quiz, an automation and more. You describe what you want, attach up to 8 reference links and up to 10 files, and the team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Read more about the free white-glove service.

What does a switch look like in practice?

Moving off either tool takes a few steps, and most of the work is exporting what you have. Here is the order that keeps clients from noticing.

  1. Export your data. From CoachAccountable, use the per-client Export on the Clients tab. From Dubsado, export contacts to CSV with the fields you need, and download invoices and bookkeeping records. Rebuild Dubsado forms and templates by hand, since they were not portable per its older profile.
  2. Reconnect payments. Connect your own Stripe account to the new tool. Active subscriptions stay with Stripe; plan how to move recurring clients before the next billing date.
  3. Rebuild your onboarding. Agreement, intake questions, first booking. In Coachful, intake questions can sit on the booking page itself.
  4. Move delivery. Recreate action plans as programs with weekly goals, daily tasks and habits.
  5. Tell clients once. Send one email with the new login and what changes for them, then run both tools in parallel for a billing cycle.

Plan a little time for each step rather than switching in one afternoon. The migration guides linked above walk through each vendor's export screens.

Frequently asked questions

Is CoachAccountable or Dubsado cheaper?

Dubsado is cheaper for most coaches with more than five active clients, because it charges a flat $35 or $55 a month with unlimited clients. CoachAccountable is priced per active client: $40 for 5, $70 for 10 and $120 for 20 as listed in October 2026. For a roster of only two clients, CoachAccountable's $20 Starter tier is the cheaper of the two.

Does Dubsado have coaching features like action plans or habits?

No. Dubsado is a client workflow CRM for forms, contracts, invoices, scheduling and automated workflows. It has no courses, client community, habits or check-ins, so coaches who use it pair it with another tool for delivery.

Does CoachAccountable have a website builder or email marketing?

Not according to its older public profile, which lists no landing pages, website or marketing automation. Most CoachAccountable users run a separate website builder and email platform alongside it.

Which has the better free trial?

CoachAccountable offers 30 days with no credit card and no limits. Dubsado offers 21 days with full Premier access and no card. Both are long enough to set up a real client onboarding and test it.

Can I use Dubsado Starter for coaching sessions?

Only with a separate booking tool. Starter has no scheduler and no automated workflows, and it allows one active lead-capture form. The scheduler and Flows come with Premier.

Do CoachAccountable and Dubsado have mobile apps for clients?

CoachAccountable has no native mobile app per its older profile, so clients use a browser. Dubsado's mobile app is a companion for the business owner, with full functionality in the desktop web app.

Are CoachAccountable or Dubsado HIPAA compliant?

CoachAccountable states it is not HIPAA compliant (older profile). Coachful is not HIPAA-certified either. If you keep clinical records or bill insurance, use a clinical system built for that, and keep coaching software for coaching.

What is Coachful's free white-glove service?

On every Coachful plan, you can ask the team to build a website, funnel, program, course outline, email sequence and more inside your own account, usually within about 24 hours. You attach up to 8 reference links and 10 files, and nothing is invented. It does not include video recording, logo design or ad management.

Which is better for group coaching programs?

Neither is built for it. CoachAccountable's per-client pricing reaches $250 a month at 50 active clients, and Dubsado has no courses or community. A platform with cohorts and a community, like the ones on our group coaching software page, fits better.

Can I move from CoachAccountable or Dubsado to Coachful without losing clients?

Yes, if you plan it. Export your client data, reconnect Stripe, rebuild onboarding, then tell clients once. Coachful imports your clients, programs and content for you during onboarding.
