Top 10 Dubsado Alternatives for Life Coaches in 2026

The best Dubsado alternatives for life coaches are the tools that handle the paperwork Dubsado does well (contracts, invoices, forms, booking) and also carry the part Dubsado leaves out: the weeks between sessions, when a client is supposed to be journaling, building a habit or acting on the goal they named on your last call. Dubsado is a client workflow CRM built for service businesses. It sends a beautiful proposal. It does not give your client anywhere to log a morning check-in.
We make Coachful, and it is our pick for most life coaches: one login for booking, agreements, payments, programs with habits and check-ins, a community and your website, with one branded app for your clients. That said, a coach who runs a handful of one-to-one clients and only needs tidy admin may be fine with a cheaper CRM, so this guide starts with five questions about your practice before it ranks anything. Answer them, read the table that maps answers to picks, then jump to the tools that match.
Every vendor price below comes from the vendor's own pricing page, dated by the month we checked it. We have not tested these tools hands-on; we describe what each vendor documents and what public reviewers report.

Why do life coaches look for a Dubsado alternative?
Life coaches usually leave Dubsado because their work happens after the contract is signed, and Dubsado's tools mostly stop there. Dubsado documents forms, contracts, invoices, a scheduler and automated workflows it calls Flows. Its own information page says it does not include website building and is not an email marketing platform, and it has no courses, client community, habits or check-ins.
For a wedding photographer that is a complete system. For a life coach, the paid relationship looks different. A typical engagement starts with a discovery call, moves to an intake questionnaire (often a wheel of life, values exercise or "where are you now" reflection), then a coaching agreement, then six or twelve weeks of sessions. Between those sessions the client is meant to do something: practise a boundary conversation, track sleep and energy, journal on a prompt, try a new morning routine. Whether they do it, and whether you can see it, decides the result more than any invoice template.
Three Dubsado gaps come up again and again for this niche:
- No between-session delivery. Homework lives in emails, PDFs or a separate app, so you find out on the call whether the client did it.
- The plan most coaches need is not the entry plan. Dubsado's Starter plan has no scheduler and no automated workflows, and allows one active lead-capture form. The scheduler and Flows sit on Premier.
- The rest of the stack still costs money. A website, email list, course host and community tool sit on top of the Dubsado bill.
Our full Dubsado review and the Dubsado pricing breakdown cover the platform itself in more depth. If you coach in several niches, the broader Dubsado alternatives for coaches guide compares the category without the life-coaching lens.

For reference, Dubsado's prices as listed in October 2026: Starter is $35 a month or $335 a year, and Premier is $55 a month or $525 a year. Those prices apply to new subscribers since December 1, 2025; earlier subscribers keep older rates. A 21-day trial includes full Premier access without a credit card. Payments run through Dubsado Payments (built on Stripe), PayPal or Square.
Which five questions should you answer before you switch?
Answer these five questions honestly and the shortlist mostly writes itself. Write the answers down; you will use them in the table in the next section.
- What do clients do between sessions? If the answer is "nothing I can see," you need a tool with programs, habits or check-ins. If your sessions are self-contained conversations and clients are happy that way, a CRM is enough.
- How do you sell: single sessions, packages or programs? A coach selling a 12-week "Clarity to Confidence" package with a payment plan needs packages and subscriptions. A coach selling single sessions needs a good booking page and not much else.
- Do you run groups, cohorts or a membership? Group programs need a shared space, group calls and some way to keep the cohort talking between calls.
- Where do new clients come from? If you rely on a website, a free guide and an email list, count those tools in the cost. If every client comes through referrals and a booking link, you can ignore marketing features.
- How many active clients will you have in a year? Some tools price per client and get expensive quickly; others are flat. Use 5, 15 and 40 as checkpoints, which is how the cost table later in this guide is laid out.
A sixth, smaller question: are you working toward an ICF credential? If yes, you need a reliable log of coaching hours and distinct clients. Coachful counts these for you through ICF hour tracking; most CRMs leave you with a spreadsheet.
Which tool fits your answers?
Find the row whose description sounds most like your practice. If two rows both fit, pick the one higher in the table, because it covers more of the client journey in one place.
| Pick | Choose it when your answers say | What you give up |
|---|---|---|
| Coachful | Clients should act between sessions; you sell packages or programs; you want a website, email and a community without extra tools | PayPal; HIPAA (not needed for most life coaching); Garmin or Fitbit sync |
| HoneyBook | You want Dubsado's model with a more guided setup, and between-session work is not part of your offer | Programs, habits, courses and community; you must use HoneyBook's own payment processing |
| The Coaches Console | You want a coaching-specific CRM with a public site and private client pages, and budget is not tight | Habits and check-ins; a modern interface, according to reviewers |
| Bonsai | You also run consulting or workshop contracts and need proposals plus time tracking | Anything coaching-specific; per-user pricing |
| Paperbell | You sell one-to-one packages and want a simple coaching storefront with booking and contracts | Habits, goals, courses and community; native app |
| Practice Better | Your life coaching leans into wellness, with journaling and structured programs | A website builder and funnels |
| CoachAccountable | Accountability is your method and you have a small, stable roster | Affordable growth past 20 clients; a website |
| Kajabi | Courses and a membership matter more than one-to-one admin | Contracts and e-signature; low monthly cost |
| Acuity Scheduling | Booking is the only thing you were using Dubsado for | Contracts, programs, website and client portal |
| Systeme.io | You are early, budget is near zero and you want funnels and email first | Contracts, client records and between-session tools |
How did we choose and rank these Dubsado alternatives?
We started from what a life coach actually does in a week and scored each tool on how much of that it covers. A tool earned a place only if it replaces at least one major Dubsado job (booking, agreements, invoicing or client forms) for a life coach. Prices come from each vendor's pricing page; feature claims come from vendor documentation and, where noted, public reviews on Trustpilot and Capterra.
Ranking criteria: one login for the whole client journey, support for clients between sessions, total stack cost at 5, 15 and 40 clients, and setup effort including any free build help.
| Rank and tool | Best for | Starting price | Between-session support | Contracts |
|---|---|---|---|---|
| Coachful | Life coaches running packages, programs and groups from one place | Lite: $29/month for up to 5 clients | Programs, habits, morning and evening check-ins, goals, community | Yes, e-signature before the first call |
| 2. HoneyBook | Dubsado-style admin with a guided setup | $29/mo billed annually (Starter) | None | Yes |
| 3. The Coaches Console | Coaching CRM with a client website | $197/mo | Courses on the higher plan; no habits | Yes, in the enrollment flow |
| 4. Bonsai | Coach-consultants with proposals and time tracking | $15/mo per user (Basic) | None | Yes |
| 5. Paperbell | Simple package selling | $97/mo | Content inside packages; no habits | Yes, tied to purchase |
| 6. Practice Better | Wellness-leaning life coaches | Free for 3 clients; $35/mo Starter | Programs and journaling | Yes, via signer fields |
| 7. CoachAccountable | Accountability-heavy coaching | $20/mo for 2 clients | Action items, routines, metrics | Yes |
| 8. Kajabi | Course and membership businesses | $179/mo (Basic) | Courses and community | No |
| 9. Acuity Scheduling | Booking only | $20/mo (Starter) | None | No e-sign; terms in intake forms |
| 10. Systeme.io | Zero-budget funnels and email | Free plan; $17/mo Startup | Basic courses and community | No |
1. Coachful: best overall Dubsado alternative for life coaches
Coachful is a coaching platform rather than a general service-business CRM, which is the main reason it sits first. One subscription covers booking, payments, coaching agreements, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. You work from one login; your clients use one app carrying your branding. Coachful is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing four to six tools.

The front end of the client journey. Booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way sync to Google, Apple/iCloud and Outlook calendars. Each session gets built-in video or an auto-created Zoom, Meet or Teams link. You can ask intake questions at booking, so a discovery call arrives with the prospect's answers to "What would make the next three months a success?" already on their record. Reminders go by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. The Intakes page tracks discovery calls, upcoming intakes and how many converted.

Agreements and payment. A coaching agreement with e-signature goes out before the first call and is stored on the client record, which is the Dubsado job most life coaches care about. (Our coaching contracts page shows how that works.) Payments run through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax. Each transaction produces an invoice, and you can raise manual invoices. Since August 2026 Coachful charges a 0% platform fee; you pay only Stripe or Razorpay processing.

The part Dubsado never covered. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars, and streaks. For a life coach that means a client working on "rebuilding confidence after a career change" can open the app each morning, see one task for the day, log how they feel, and tick off a journaling habit. The client record pulls together goals, check-ins, habits, notes, intake answers, tags, payments and sessions, and labels each client as thriving, active, quiet or at risk, so you notice the person going quiet in week three before they cancel. More than 40 ready-to-film program templates and coaching flow and journey templates give you a starting point.

Here is a short walkthrough of building a program in Coachful:
Groups, content and marketing. Group programs get a community feed, group chat, direct messages and video events, and enrolling clients in a program creates their cohort group automatically. Courses support modules, lessons, drip and completion tracking. The section-based website builder includes a blog, custom domain, SEO settings and 30 designed homepage templates, and booking, application, lead-magnet and checkout funnels carry pixels and UTM tracking. Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits replace a separate email tool.
Michelle and the AI Coach. Michelle, the built-in assistant, works from your live practice data: she drafts programs and emails, summarizes recorded sessions, briefs you before each session and, if you want it, gives private feedback on your coaching against ICF Core Competencies 3 to 8. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. Separately, the AI Coach is an AI version of you that selected clients can chat with between sessions, configured by you.
Why Coachful stands out: a free white-glove service. From Create, the "We'll build it for you · FREE" option lets you describe what you want built: a website, funnel, offer page, program, course outline and written material, coaching flow, form or worksheet, email sequence, link in bio and more. You can attach up to 8 reference links and up to 10 files such as your logo, photos or existing copy. The Coachful team builds it inside your own account, usually within about 24 hours, and leaves gaps for you rather than inventing testimonials, credentials or prices. One leadership coach with a Squarespace renewal days away got a clean homepage with a repeated "talk with me" button; a somatic coach leaving Kajabi had the homepage and About page rebuilt and the contact form connected. It does not include recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

What Coachful does not do. It is not HIPAA-certified and offers no BAA, so it is not for clinical records or insurance billing. There is no PayPal and no permanent free plan. The client app ships under the Coachful listing with your branding, not under your own App Store account. There is no Salesforce or HubSpot integration and no multi-stage sales deal board for large teams. If you export, the full client data export comes as a ZIP with roster, notes, check-ins, goals, habits, sessions and form responses.
Price. Plans are flat monthly, lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). There is a free trial, and monthly plans cancel in one click. See how it fits your practice on the Coachful for life coaches page, or compare the two directly in Coachful vs Dubsado.
2. HoneyBook: the closest like-for-like swap for Dubsado
HoneyBook is the tool most Dubsado users compare first, because it does the same job: proposals, contracts, invoices, a scheduler and a client portal for service businesses. For a life coach who loves Dubsado's model but finds its setup fiddly, HoneyBook offers a similar workflow under a different interface, which is worth trying during its trial. Our HoneyBook vs Dubsado comparison goes deeper.

For life coaching specifically, HoneyBook works well for the sales side. A discovery-call booking, a proposal that bundles a six-session package with a contract and first payment, and automated reminders all fit. Where it stops is the same place Dubsado stops: there are no programs, courses, habits, check-ins or community. Any reflection prompt or worksheet you send between sessions goes out as a file or an email.
Prices as listed in October 2026:
- Starter: $29 a month billed annually (the monthly price was not displayed). Unlimited clients and projects, 2 live lead forms. No scheduler or automations.
- Essentials: $59 a month, or $49 a month billed annually. Up to 2 team members, 10 lead forms, scheduler and automations.
- Premium: $129 a month, or $109 a month billed annually. Unlimited team members and lead forms, multiple companies.

There is a 30-day free trial without a credit card. HoneyBook is also your payment processor, which matters if you already run Stripe. Its pricing page conflicts on card fees: the FAQ lists 2.7% + 10¢ while the plan comparison shows 2.9% + 25¢. ACH is 1.5%, and instant deposit costs 1%. On Trustpilot it showed 4.1 from 748 reviews when we checked in October 2026.
The practical catch for a life coach is that, like Dubsado, the scheduler and automations live on the middle plan, so the realistic starting price is Essentials. You will still need a website, email marketing and something for client homework.
Pick it over Coachful if your coaching is purely session-based, you have no interest in giving clients anything to do between calls, and you want a polished proposal-and-contract flow that feels familiar after Dubsado.
3. The Coaches Console: a coaching CRM with a client website
The Coaches Console has been around since 2004 and was built specifically for coaches, which sets it apart from the service-business CRMs on this list. It combines a CRM, an online calendar with time-zone conversion, a public website module, a private client website, email marketing, invoicing and reporting. Client agreements sit inside the enrollment flow, so a new client signs as part of joining.
That private client website is the most relevant feature for life coaches. Each client gets a space for their materials, which is closer to a coaching container than Dubsado's portal. On the higher plan, a course and content delivery module lets you drip lessons, so a "Values and Vision" module could open after the first session and a "Boundaries" module two weeks later.
Prices as listed in September 2026 (we did not re-read the page this month):
- Core Console System: $197 a month or $1,997 a year. CRM, calendar, website, client portal, email marketing, invoicing and reporting.
- Total Console System: $297 a month or $2,997 a year. Adds a shopping cart, course and content delivery, sales reports and unlimited products and courses.
There is no free trial; the vendor offers a 30-day money-back guarantee after purchase, with a card required at signup. Payments go through PayPal, Stripe or Authorize.net, and a platform fee was not stated.
Reviewers are consistent about the downsides. Several call the interface clunky and dated, mention a steep learning curve despite training, and say the price is high compared with newer tools. The vendor does not document installment payments or coupons, which matters if you sell a 3-month package with a split payment. There is no habit tracking, no daily check-ins, no built-in video and no SMS. Client access is through a mobile browser rather than an app.
For a life coach who wants a coaching-specific system and is willing to pay for a long-established vendor, it is a reasonable choice. For most new or growing practices, the cost makes it hard to justify.
Pick it over Coachful if you value a vendor with a two-decade track record in coaching and prefer its older, form-heavy style of client management over a mobile-first client app.
4. Bonsai: for life coaches who also consult
Bonsai is business management software for freelancers and agencies: proposals, contracts, invoices, time tracking and projects. It is on this list because a lot of life coaches run a second line of work, such as facilitation, workshops or consulting for organizations, and need to quote, contract and bill for it. Bonsai handles that side well.

What Bonsai means for the coaching side is limited. There are no courses, community, client habits, check-ins or coaching programs. A one-to-one life coaching client would be a "project" with a contract and recurring invoice, and all actual coaching support would happen elsewhere. Its custom domain feature was marked "expected in 2026" on the vendor's site rather than released.
Prices as listed in October 2026, all per user:
- Basic: $15 a month, or $9 billed annually. No invoicing or payments.
- Essentials: $25 a month, or $19 billed annually.
- Premium: $39 a month, or $29 billed annually.
- Elite: $59 a month, or $49 billed annually, with a minimum of 3 users.
Because Basic has no invoicing, Essentials is the practical floor for anyone who wants to bill clients through Bonsai. The free trial is 7 days, and the vendor says you can start without a card. On fees, Bonsai's pricing page links out to its help center, which we could not re-read this month. An older help article listed Bonsai Payments card fees at 2.9% + $0.30 and a 1% platform fee when you use your own Stripe or PayPal where Bonsai Payments is available; treat those as unconfirmed and check before you commit. Trustpilot showed 4.3 from 641 reviews in October 2026.
If your income is mostly corporate workshops and the life coaching is a smaller share, Bonsai's time tracking and proposals may be the more useful tool, paired with something else for clients. If coaching is the main business, it is the wrong shape.
Pick it over Coachful if most of your revenue comes from hourly consulting or facilitation work where time tracking and project proposals matter more than client progress.
5. Paperbell: simple package selling
Paperbell is built for coaches who sell packages. A prospect lands on your Paperbell page, picks a package, signs the contract tied to that purchase, pays and books, all in one checkout. For a life coach whose offer is "six sessions over three months," that flow replaces most of what Dubsado was doing with fewer moving parts.

Paperbell includes a branded coaching website with a custom URL and landing pages, booking with time-zone detection, appointment gaps and reminders, calendar sync with Google, iCal/Apple and Outlook, and Zoom links. SMS reminders are available. Payments go through Stripe or PayPal and support subscriptions, payment plans, pay-in-full discounts, pay-what-you-can, coupons and setup fees, which suits life coaches who offer a sliding scale. There is a client portal with history, shared notes and messaging, and dedicated group coaching for workshops and live classes. Packages can carry video content and worksheets.
Price as listed in October 2026: one paid tier at $97 a month or $970 a year, per coach, with unlimited clients and sessions. Paperbell states no additional transaction fees beyond Stripe or PayPal processing. Its help center describes a 7-day trial, and paid plans carry a 30-day money-back guarantee.
What you give up as a life coach:
- No habit tracking, daily check-ins or client goal tracking, which reviewers note.
- No full course platform and no community.
- No native mobile app; clients use the mobile browser.
- Limited design customization and a basic CRM, according to reviews.
The common pattern reviewers describe is outgrowing it: Paperbell is a clean way to start selling packages, then a coach adds a group program or a membership and needs another tool. Our Paperbell alternatives for life coaches guide covers that path.
Pick it over Coachful if you sell only one-to-one packages, want the simplest possible checkout with contract and booking, and need PayPal at checkout.
6. Practice Better: wellness-leaning life coaching
Practice Better is practice management software for wellness practitioners, with clinical features many life coaches will never use (superbills, CMS-1500 exports, ePrescribe add-ons). It earns a place here because a growing number of life coaches work on stress, sleep, energy and burnout, and Practice Better's journaling and programs fit that work.

The core features cover the Dubsado jobs: scheduling, telehealth video, billing, messaging, a client portal and forms with signer fields for agreements. Beyond that, programs can run on fixed dates (Professional) or as evergreen, self-paced courses (Plus), with modules, email sequences, media, documents, chat and quizzes. Clients get an iOS and Android app with journaling and messaging. Practice Better has no website builder or funnel pages, so your marketing stays on a separate site and email tool.
Prices as listed in October 2026:
| Plan | Monthly | Billed annually | Clients |
|---|---|---|---|
| Sprout | Free | Free | 3 |
| Starter | $35 | $25/mo | 10 |
| Professional | $69 | $59/mo | 300 |
| Plus | $99 | $89/mo | Unlimited |
| Team | $155 | $145/mo | Unlimited, 2 practitioners |
Paid plans have a 14-day trial (30 days on Team). Payments run through Practice Better Payments, powered by Stripe; processing fees are not listed on the pricing page. Evergreen programs, portal branding and a personalized URL start on Plus. Capterra reviewers mention a learning curve and ticket-based support that can be slow.
For a life coach, Practice Better's language and structure lean clinical. That can feel heavy if your work is about career direction or relationships, and comfortable if your clients come to you for wellbeing goals. Our Practice Better alternatives for life coaches roundup compares it with other options.
Pick it over Coachful if you work alongside clinicians, want food and lifestyle journaling with nutrient targets, or need the free 3-client plan while you test the waters.
7. CoachAccountable: for accountability-first coaching
CoachAccountable is a long-running coaching platform with a clear focus: helping clients follow through. It offers action items, routine tracking, metrics and KPIs with reminders, follow-through reports and drip courses. Digital agreements capture signatures, initials, timestamp and IP, and invoicing can lock a client out of content when an invoice is unpaid. Every tier includes unlimited coach and admin accounts.
For life coaches whose method is built around weekly commitments ("by Friday I will have the conversation with my manager"), CoachAccountable's action items and follow-through reporting are a strong fit. Groups can share actions and files, though there is no social feed.
The pricing is per active client, as listed in September 2026:
- Starter: $20 a month, up to 2 clients
- Level 1: $40 a month, up to 5 clients
- Level 2: $70 a month, up to 10 clients
- Level 3: $120 a month, up to 20 clients
- Level 3.5: $200 a month, up to 35 clients
- Level 4: $250 a month, up to 50 clients
There is a 30-day trial without a credit card, and plans are month to month. Payments run through Stripe, Square or PayPal with no platform fee stated.
Per-client pricing is the most cited complaint on Capterra, and it hits hardest when you launch a group. A life coach who adds a 20-person cohort to a roster of 10 private clients jumps several levels at once. Reviewers also describe a steep learning curve and an interface some call outdated. There is no native mobile app, no website, no landing pages and no marketing automation.
If you want a deeper look at options in the same family, see our CoachAccountable alternatives for life coaches.
Pick it over Coachful if you coach a small, stable group of private clients, care most about detailed action-item reporting, and do not plan to run large groups.
8. Kajabi: when courses and membership lead
Kajabi is a course and membership platform that added coaching features. It is a Dubsado alternative only for life coaches whose business is shifting from one-to-one work to courses, a community or a membership, and who would use a lighter admin flow alongside it.
Its strengths are the marketing and content side: a full website with blog and unlimited landing pages, video hosting, drip courses with quizzes and certificates, Kajabi Communities with challenges and live rooms, and a Coaching product with a built-in scheduler, session outlines and milestones. Growth and Pro plans include a customer app.
What it lacks for a Dubsado user is just as clear: there is no e-signature or contract feature, no standalone invoice builder and no habit tracking or daily check-ins.
Prices as listed in September 2026 (Kickstarter was removed from the public pricing page in January 2026):
- Basic: $179 a month, or $143 billed annually. 5 products, 2,500 contacts, 1 community.
- Growth: $249 a month, or $199 billed annually. 50 products, 25,000 contacts.
- Pro: $499 a month, or $399 billed annually. Unlimited products, 100,000 contacts, 3 communities.
Kajabi charges no platform fee when you use Kajabi Payments, with processing from 2.7% to 2.9% plus 30¢ depending on plan, and adds a surcharge if you use your own processor. Reviewers on Trustpilot report difficulty cancelling and problems retrieving customer data, so export everything before you leave. The January 2026 restructure raised prices and cut Basic's contact limit. Our Kajabi alternatives for life coaches guide covers those changes.
Pick it over Coachful if your main product is a large self-paced course sold to thousands of contacts, and you are happy to handle coaching contracts in a separate tool.
9. Acuity Scheduling: if booking was all you used Dubsado for
Some life coaches realize they only ever used Dubsado's scheduler. If that is you, Acuity Scheduling replaces it cheaply. It handles appointments, classes, recurring bookings, group sessions, add-ons and coupons, with two-way sync to Google, Outlook/Office 365/Exchange and iCloud. Custom intake forms come on every plan, so you can ask booking questions before a discovery call.
On Standard and above, packages, memberships and subscriptions let you sell a "4-session reset" bundle and let clients book against it. Payments use your own Stripe, Square, PayPal or Venmo account, with no Acuity fee.
Prices as listed in September 2026:
- Starter: $20 a month, or $16 billed annually. One calendar, unlimited services and appointments, email reminders, intake forms.
- Standard: $34 a month, or $27 billed annually. Up to 6 calendars, text reminders, packages, memberships and subscriptions.
- Premium: $61 a month, or $49 billed annually. Up to 36 calendars, HIPAA BAA, logo removal.
There is a 7-day trial without a card. The gaps are significant if you expected a Dubsado replacement: no e-sign contracts (only terms captured in intake forms), only basic appointment invoices, no client portal beyond booking management, no programs and no progress tracking. Trustpilot reviewers rate it 3.7 and cite slow email-only support. For more scheduling options, see Calendly alternatives for life coaches.
Pick it over Coachful if you already have a website, email tool and contract process you are happy with, and you only need a dependable booking calendar.
10. Systeme.io: the zero-budget starting point
Systeme.io is a marketing platform with funnels, email, courses, a basic community, a website builder and a blog. It belongs at the end of this list because it covers the parts of a life coaching business Dubsado does not (lead magnets, email sequences, a simple course), while missing the parts Dubsado does: there are no contracts, and it generates order invoices but has no invoice-sending tool.
Its appeal is the free plan. As listed in September 2026, Free includes 2,000 contacts, 3 funnels, 1 course, 1 blog and a custom domain, with 0% platform fees. Paid plans are Startup at $17 a month ($170 a year), Webinar at $47 a month ($470 a year) and Unlimited at $97 a month ($970 a year). A native booking calendar supports paid appointments.
For a new life coach, a realistic starting setup might be a Systeme.io funnel offering a free "Wheel of Life" worksheet, an email sequence that invites readers to book a call, and a paid booking. You would still need a separate e-signature tool for your coaching agreement and somewhere to support clients between sessions. Reviewers on Capterra describe the editor as clunky; there is no member or admin app; contact exports expire after 3 days.
If you want to try a Wheel of Life exercise with prospects, our free Wheel of Life tool is a quick way to see what that lead magnet feels like.
Pick it over Coachful if you have no budget at all, are building an email list before you have paying clients, and are comfortable stitching contracts and client support together from other tools.
What will each tool cost at 5, 15 and 40 clients?
Costs below are monthly list prices for the plan that covers booking plus the client count, before payment processing, taxes and add-ons. They are examples to compare stacks, not quotes. The "extra tools" column flags what you would still need to buy to match an all-in-one setup.
| Tool | 5 clients | 15 clients | 40 clients | Extra tools still needed |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients | None for most life coaches |
| Dubsado (Premier) | $55 | $55 | $55 | Website, email, courses, community, client homework |
| HoneyBook (Essentials) | $59 | $59 | $59 | Website, email, courses, community, client homework |
| The Coaches Console (Core) | $197 | $197 | $197 | Courses (Total plan), habits |
| Bonsai (Essentials, 1 user) | $25 | $25 | $25 | Website, email, courses, community, client homework |
| Paperbell | $97 | $97 | $97 | Email, courses, community, habits |
| Practice Better | $35 (Starter) | $69 (Professional) | $69 (Professional) | Website, funnels, email marketing |
| CoachAccountable | $40 (Level 1) | $120 (Level 3) | $250 (Level 4) | Website, email, community |
| Kajabi (Basic) | $179 | $179 | $179 | Contracts, invoicing, habits |
| Acuity (Standard) | $34 | $34 | $34 | Contracts, website, email, programs, community |
| Systeme.io (Startup) | $17 | $17 | $17 | Contracts, invoicing, client records, habits |
Two things stand out. First, the cheapest line is rarely the cheapest stack. Dubsado, HoneyBook, Bonsai and Acuity look inexpensive until you add a website builder, an email platform and a way to deliver programs. Second, per-client pricing (CoachAccountable) and client caps (Practice Better's lower plans) mean the cost depends heavily on whether you run groups. A life coach launching a 25-person cohort should run that scenario before signing up anywhere.
What are the red flags and switching costs when leaving Dubsado?
The main switching cost is your templates: Dubsado lets you export contacts to CSV and export invoices, but forms and templates are not portable, so your contract, intake questionnaire and email copy need to be copied across by hand. Plan for that before you cancel. Our step-by-step guide to migrating from Dubsado covers the order of operations, and running client onboarding without Dubsado shows how to rebuild the welcome sequence.
Red flags to watch for in any replacement:
- Forced payment processing. HoneyBook processes payments itself; Kajabi adds a surcharge if you bring your own processor. If you already have a Stripe account with saved subscriptions, check whether existing clients would need to re-enter cards.
- Per-client pricing that punishes groups. Fine for five private clients, painful for a group program.
- Features on a higher tier than the one you priced. Dubsado and HoneyBook both keep scheduling and automations off the entry plan; Practice Better keeps evergreen programs and branding on Plus.
- Data you cannot get out. Reviewers report data-retrieval problems when cancelling Kajabi; Systeme.io contact exports expire after 3 days. Ask any vendor what a full export contains before you move in.
- Scope creep into therapy. Life coaching is not mental health treatment. Whatever tool you choose, keep your agreement clear about scope, and refer clients to a licensed mental health professional when they describe symptoms such as persistent low mood, trauma responses or thoughts of self-harm. Tools that are not HIPAA-certified, including Coachful, are not the place for clinical notes.
A practical switching order: set up the new tool during its trial, rebuild your agreement and intake form, move active clients at a natural break (the end of a package or a new month), then keep Dubsado read-only for a month so invoices and signed contracts stay accessible. On Coachful, clients, programs and content are imported for you during onboarding, and the white-glove team can rebuild your website or welcome sequence.

Which Dubsado alternative should a life coach choose?
Choose Coachful if your clients are meant to change something between sessions and you want to see it happen. It replaces Dubsado's booking, agreements and invoicing, then adds what life coaching depends on: programs with daily tasks, habits and check-ins, goals with progress bars, a cohort community, a website and email, and a client app with your branding. The free white-glove build takes care of most of the setup.
If your coaching is entirely session-based and you want a familiar CRM, HoneyBook is the closest swap. Paperbell suits a coach selling one-to-one packages who wants the simplest checkout. CoachAccountable fits a small, accountability-driven roster. Practice Better makes sense if your work leans toward wellness. Acuity and Systeme.io are partial tools for very specific needs, not full replacements.
Start a free trial, use your answers to the five questions, and build one real client journey (discovery call, agreement, first payment, week-one tasks) before you decide.
Frequently asked questions
What is the best Dubsado alternative for life coaches?
For most life coaches, Coachful, because it covers booking, agreements and payments plus programs, habits, check-ins and a community in one login. HoneyBook is the closest like-for-like CRM if you only need admin. The right pick depends on whether clients do work between sessions.
Is Dubsado good for life coaches at all?
Dubsado handles contracts, invoices, forms and, on Premier, scheduling and automated workflows. It is a good admin tool. It has no courses, community, habits or check-ins, and its own documentation says it is not a website builder or email marketing platform, so most life coaches end up adding several other tools.
Can I move my contracts and forms out of Dubsado?
Contacts export to CSV and invoices can be exported, but forms and templates are not portable. Copy your agreement, intake questionnaire and email templates into a document before you cancel, then rebuild them in the new tool.
What is Coachful's free white-glove service?
Every Coachful plan includes a free build service. You describe what you want (a website, funnel, program, course outline, form or email sequence), attach up to 8 links and 10 files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include video recording, logo design or ad management.
Does Coachful support PayPal like Dubsado?
No. Coachful takes payments through your own Stripe Connect or Razorpay account, including Apple Pay and Google Pay, subscriptions and payment plans. If PayPal is essential, Paperbell, CoachAccountable or Acuity support it.
Which Dubsado alternative is cheapest for a new life coach?
Practice Better's free Sprout plan covers 3 clients, and Systeme.io has a free plan for funnels and email. Neither is a full replacement on its own. Compare the total stack, including a website and email tool, rather than the single cheapest line.
Is Coachful HIPAA-compliant?
No. Coachful is not HIPAA-certified and does not sign a BAA. Life coaching is not clinical care, so most life coaches do not need HIPAA, but clinical records and insurance billing belong in a clinical system.
Can I run group coaching programs without Dubsado?
Yes. Coachful creates a cohort group automatically when clients enroll in a program, with a feed, group chat and video events. Paperbell and Practice Better also support group sessions; Dubsado has no group space.
Does any Dubsado alternative track ICF coaching hours?
Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. The other tools on this list do not document ICF tracking.
How long does it take to switch from Dubsado?
It depends on how many templates and active clients you have. A practical approach is to set up during a trial, move clients at the end of a package, and keep Dubsado read-only for a month. On Coachful, clients, programs and content are imported for you during onboarding.
