HubSpot vs Keap for Coaches: An Honest 2026 Comparison

HubSpot vs Keap for Coaches: An Honest 2026 Comparison

In the HubSpot vs Keap decision, the short version is this: HubSpot is the cheaper, more flexible CRM to start on, with a free tier and per-seat Starter pricing, while Keap is a pricier all-in-one sales and billing system aimed at small businesses that want email, text, quotes and invoices under one contract. For a coach, neither one delivers the coaching itself. Both track leads and help you get paid; neither gives your clients programs, habits, check-ins or a place to log in between sessions.

We make Coachful, a coaching platform, so we have a stake in this comparison. We have kept the HubSpot and Keap sections to what each vendor documents on its own pages as listed in October 2026, and what public reviewers report. Then, near the end, we cover Coachful as a third option: when it beats both for a coach, and when it does not.

If you want the wider field first, our guides to HubSpot alternatives for coaches and Keap alternatives for coaches go broader. This article stays head-to-head.

HubSpot vs Keap: what is the short answer for each kind of coach?

Pick HubSpot if you mainly need a contact database, simple email and a booking link, and you want to start at no cost. Pick Keap if you sell in the United States, want built-in text marketing, quotes and recurring invoices, and you can justify a monthly bill in the hundreds plus a required setup fee.

  • New coach with a handful of clients: HubSpot's free CRM is the lower-risk start. Keap's entry price is hard to justify at this stage.
  • Coach running paid ads and email funnels in the US: Keap's prebuilt automations, text marketing and checkout forms fit this shape better out of the box.
  • Coach with a sales team or an agency partner: HubSpot, because its seat model, pipelines and app ecosystem scale further, though costs climb fast on Professional.
  • Coach outside the US, UK or Canada: HubSpot works with Stripe anywhere Stripe works; Keap's text marketing is US-only and Keap Pay is US-only, though Keap supports PayPal, Stripe and Eway internationally.
  • Coach who delivers multi-week programs: neither. You will still need a separate tool for the client side, which is where a coaching platform comes in.

Our ranking criterion for this article, stated plainly: which tool gives a coach one login for the whole client journey, delivers the work between sessions, keeps total stack cost down and is quick to set up. On those terms, Coachful ranks first, Keap and HubSpot follow depending on your sales needs.

How do HubSpot and Keap compare side by side?

The table below lines up what each tool documents. Coachful sits in the first row so you can see where a coaching-specific platform differs from two general CRMs.

HubSpot is the larger, more general platform. Its free CRM covers contacts, companies, deals, tasks, email tracking, forms, live chat and a basic meetings link for up to two users and 1,000 contacts, with no time limit and no credit card required, as listed in October 2026. Paid tiers add seats, more automation and removal of HubSpot branding.

Keap, a Thryv brand, sells one platform plan with no feature tiers. The pricing page says "Say goodbye to feature-based plans", and everything from email automation to quotes, invoices, lead scoring and an AI assistant sits in that one plan. The cost scales with contacts and users instead.

How much do HubSpot and Keap cost for a coach?

HubSpot can cost nothing on its free tools and from $7 to $20 per seat per month on Starter, while Keap starts at $299 per month (or $2,988 per year) plus a one-time implementation package. For a solo coach, that gap is large.

HubSpot pricing details that matter

HubSpot's Starter price, as listed in October 2026, is a limited-time offer for new customers: $7 per seat per month billed annually or $10 billed monthly. The page does not say how long the discount lasts. HubSpot's own Product and Services Catalog lists the standard Starter Core Seat at $20 per seat per month, so budget for $20 if you plan to stay.

Build your platform

Other costs to watch:

  • Marketing contacts. Starter includes 1,000 marketing contacts. Above that, contacts are billed by tier.
  • Payment fees. With HubSpot Payments (US, Canada and UK), cards cost 2.9% and the HubSpot platform fee is waived for one year, then 0.5% per transaction. Using Stripe inside HubSpot adds a 0.75% HubSpot platform fee on top of Stripe's 2.9% + $0.30.
  • AI credits. Extra HubSpot Credits cost $10 per 1,000-credit pack, per the catalog.
  • Professional onboarding. Professional and Enterprise require a paid one-time onboarding. HubSpot is moving to platform pricing, and its older hub pages still show figures like a $3,000 onboarding for Marketing Hub Professional, so treat Professional costs as something to confirm with sales.

Keap pricing details that matter

Keap's pricing page shows one plan starting at $299 a month billed monthly, or $2,988 a year. The pricing widget's starting values are 1,500 contacts and 2 users. Additional users cost $39 a month each. Extra contacts are priced in tiers; the widget data shows, for example, $36 a month for up to 1,000 more contacts on monthly billing.

Other costs to watch:

  • Required implementation. Keap says "Required implementation services help you achieve faster results". Its implementation page lists a one-time $500 package, struck through from $1,500, that includes a business-mapping session, two automations built for you, basic data import, up to 15 hours of migration and scheduled calls through the first year.
  • Annual contract terms. The annual contract carries a $299 early termination fee, and cancellation needs at least 10 days' notice by phone.
  • Text marketing tiers. Tier 1 (500 texts, 100 voice minutes, US only) is included. Higher tiers run from $24 to $279 a month.
  • Data export services. Keap's embedded checkout data lists one-time export services such as a "Data Dump Export" at $399. Basic contact CSV exports are available in the app.

An example first-year cost for a solo coach

Here is an illustrative example, not a quote, for one coach with fewer than 1,000 contacts who pays monthly:

  • HubSpot Starter, one seat: $10 × 12 = $120 if the promo price holds all year, or $20 × 12 = $240 at the standard price.
  • Keap, monthly: $299 × 12 = $3,588, plus the $500 implementation package, for about $4,088. Paying annually: $2,988 + $500 = $3,488.

Neither figure includes a course or program tool, a client community, or a contract and e-signature tool, which most coaches running programs add on top. That stack cost is the real comparison point. For the Coachful side of the equation, current plans are listed on one page (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients), and the lowest plan covering 15 clients is Solo: $49/month for up to 20 clients.

Which is better for managing leads and pipelines?

HubSpot has the more flexible pipeline: deal stages, up to 15 pipelines on Starter and a large app ecosystem. Keap has a sales pipeline with pipeline automation and lead scoring in its single plan, which suits a coach who wants leads to move stages automatically after a form or purchase.

HubSpot's strength is breadth. Contacts, companies and deals link together, email tracking shows when a prospect opens your message, and Starter adds segments, targeted campaigns, calling and AI meeting recording and transcription. The trade-off is that HubSpot is built for B2B sales teams, so a coach who sells to individuals spends time ignoring company records and deal fields that were designed for account managers.

Keap's strength is that the pipeline, the email automation and the billing live together. A lead fills a form, gets tagged, enters a sequence, receives a quote or checkout link, and moves to "won" when they pay. Keap also ships a library of prebuilt "proven automations" to start from. The trade-off is the price of entry and a learning curve that Keap addresses with its required implementation package.

If your pipeline is mostly discovery calls and applications, you may not need either. We wrote worked guides on managing coaching pipelines without HubSpot, managing coaching pipelines without Keap and managing coaching leads without HubSpot.

How do HubSpot and Keap handle booking sessions?

Both include a scheduler, but neither is a coaching calendar. HubSpot's meetings tool gives one branded link on Free and up to 1,000 personal and team links on Starter. Keap includes an appointment scheduler with calendar and email connection, and you can send appointment links from its mobile app.

For a sales call, either works. For ongoing coaching, gaps show up quickly: session packages, credits that count down, intake questions tied to a program, group calls and reminders by SMS or WhatsApp are not what these schedulers are built around. Some coaches on either CRM add a dedicated scheduler as well. Our Calendly pricing breakdown shows what that extra line item tends to cost, and our scheduling software page covers what a coaching calendar needs.

Which handles payments and invoices better for coaches?

Keap is stronger on billing: quotes, one-time and recurring invoices, checkout forms with upsells and billing automation are all in its one plan, and it supports Keap Pay in the US plus PayPal, Stripe and Eway. HubSpot offers payment links and billing through Stripe on every tier or HubSpot Payments on Starter and up, but quotes start on Professional.

Fees differ too. Keap's FAQ says each processor charges "their standard processing fee" with no Keap fee stated. HubSpot adds its own platform fee on top of processing: 0.75% when you use Stripe, or 0.5% after the first year on HubSpot Payments. On $5,000 of monthly coaching revenue processed through Stripe inside HubSpot, that 0.75% is $37.50 a month before Stripe's own fees (an illustrative calculation).

The other question is what happens after the payment. Neither tool can enroll a paying client into a program, open their course, or add them to a cohort group. That work stays manual or moves to another app. Our coaching payment software page explains how a coaching platform connects payment to delivery.

How do email marketing and automation compare?

Keap's automation is deeper for a small business out of the box, with email and text sequences, lead scoring and prebuilt recipes in one plan. HubSpot's free and Starter tiers are lighter: Free gives 2,000 email sends a month with HubSpot branding and one automated email action, while Starter adds simple automation, segments and email sends at five times your marketing-contact tier.

HubSpot's serious workflow tools sit on Professional, which is where the price and required onboarding jump. That makes HubSpot cheap to start and expensive to grow into. Keap is expensive to start and more predictable after that, as long as your contact count stays inside your tier.

Text marketing is a clear Keap advantage if your clients are in the US: Tier 1 includes 500 texts and 100 voice minutes, and higher tiers are available. Outside the US, that advantage disappears, since text marketing is US-only and the dedicated phone line and 1:1 texts are US and Canada only.

What about websites, landing pages and forms?

Both give you landing pages and forms, but neither is a full coaching website. HubSpot's Free and Starter tiers allow up to 30 landing pages, with Starter removing HubSpot branding. Keap includes landing pages and forms in its plan, along with checkout forms.

For a coach, the missing piece is a site that ties into what you sell: a booking page, an application funnel, a lead magnet that delivers a download, and a checkout that enrolls the buyer. On HubSpot or Keap, the main site usually lives in a separate website builder. If that is you, our coach website builder page shows the alternative.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

What does the client actually experience with HubSpot or Keap?

With either tool, your client experiences emails, a booking link and a payment page, and not much else. HubSpot's mobile app is for your own team, not your clients, and Keap has no client portal, course hosting, membership area or client-facing app.

That matters more than it sounds. Coaching results usually come from what happens between sessions: the client does the week's tasks, logs a habit, answers a check-in and gets a nudge when they go quiet. A CRM sees the client as a contact at a deal stage. After they pay, it has little to offer them. So a coach on HubSpot or Keap typically adds a course platform, a community app, a habit tracker or shared documents, and a contract and e-signature tool. Each one is another login for the client.

Public review scores are low for both. As seen in October 2026, HubSpot's Trustpilot score is 1.5 from 1,176 reviews and Keap's is 1.1 from 498 reviews. Read the recent reviews yourself and check contract and cancellation terms before you sign.

Which should you pick: HubSpot or Keap?

Choose by your sales model, not by feature counts. If you run a lean practice and want a contact database at no cost, start with HubSpot. If you run a US-based, marketing-heavy practice with paid ads, text campaigns and recurring billing, Keap's single plan bundles what you need, at a price.

Is there a third option built for coaches?

Yes. Coachful is a coaching platform rather than a general CRM, and for most coaches who sell programs it replaces HubSpot or Keap plus the four or five tools they bolt on. Here is when it beats both, and when it does not.

What Coachful is and who it is for

Coachful is one subscription that covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login, and the client gets one app with the coach's branding inside the Coachful app. It is built for coaches who deliver programs, not just sessions, solo coaches growing into a small team, and coaches replacing four to six tools. The company is based in Tallinn, Estonia, and Coachful's Trustpilot score is 4.5 from 21 reviews.

Where Coachful beats both HubSpot and Keap

  • The client side exists. Multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses with modules, drip and completion tracking. A community feed, group chat and cohort groups created automatically when someone enrolls.
  • Payment leads straight into delivery. Payments run through your own Stripe Connect or Razorpay account, with one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay and Stripe Tax. Coachful charges a 0% platform fee (since August 2026), so only processing applies.
  • Coaching agreements are built in. Agreements with e-signature go out before the first call and are stored on the client record.
  • The client record is a coaching record. Goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with an AI briefing per client and a status of thriving, active, quiet or at risk.
  • Booking is made for coaching. Availability rules, buffers, minimum notice, time-zone detection, two-way Google, Apple and Outlook sync, session credits, intake questions, and SMS and WhatsApp reminders once messaging is enabled.
  • Marketing is included. A section-based website builder with 30 homepage templates, booking, application, lead-magnet and checkout funnels, and email broadcasts and sequences with triggers, delays, branching and A/B splits.
  • An AI assistant that knows your practice. Michelle works from live practice data: she builds programs, drafts emails, summarizes recorded sessions and briefs you before sessions. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits.
  • ICF credential tracking. Coaching hours and distinct clients are counted against ACC, PCC and MCC thresholds, with an exportable ICF client coaching log.

Where HubSpot or Keap is still the better choice

Coachful is not the right tool for every coaching business. Be honest with yourself about these cases:

  • You run a large sales team. Coachful has no multi-stage deal board for large teams. HubSpot is built for that.
  • You need a HubSpot or Salesforce integration. Coachful does not offer one. It connects to Zapier, Google Calendar, Apple Calendar, Outlook, Zoom, Google Meet, Teams, Stripe, Razorpay, Meta Pixel and GA4.
  • You need PayPal. Coachful does not support PayPal; Keap does.
  • You need US text-marketing campaigns. Coachful sends SMS and WhatsApp session reminders once messaging is enabled, but Keap's text marketing tiers are the tool for bulk SMS campaigns.
  • You want a permanent no-cost plan. Coachful offers a free trial but no permanent free plan. HubSpot's free tools have no expiration date.
  • You keep clinical records. Coachful is not HIPAA-certified and does not sign a BAA. Clinical record-keeping and insurance billing belong in a clinical system. Coaching is not treatment, and a coach who sees signs of a medical or mental-health condition should refer the client to a licensed professional.
  • You need routing forms that pick a host from form answers. Coachful assigns multi-coach sessions by round-robin or least-busy instead.

How to start with Coachful

Start a free trial, then decide whether to build your setup yourself or hand it to the Coachful team. Clients, programs and content are imported for you during onboarding. If you are leaving HubSpot or Keap, export your contacts as CSV first: HubSpot exports records from index views as CSV, XLS or XLSX (download links expire after 30 days), and Keap exports contacts to CSV from Contacts > People, though tags are not included in that export and need the Tag Tracker report.

Why Coachful stands out: a free white-glove service. From Create > We'll build it for you, you describe what you want built: a website, funnel, sales page, program, course outline, email sequence, form, link in bio, lead quiz, event or automation. You can attach up to 8 reference links and up to 10 files such as logos, photos, brand guides and copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. As one example, a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Another, a business mentor for beauty professionals, got a 12-week mentorship sales page, a start-up-guide funnel and rewritten follow-up emails. Read more about the white-glove build service.

How hard is it to switch between HubSpot, Keap and a coaching platform?

Moving contacts is the easy part; moving automations and payment subscriptions is the hard part. Both HubSpot and Keap export contacts to CSV, but automations have to be rebuilt in the new tool, and active subscriptions are tied to the processor.

A practical order for any switch:

  1. List every automation you rely on, in plain words: trigger, wait, action. Rebuild only the ones that still earn their place.
  2. Export contacts, plus tags (Keap's Tag Tracker report) or lists and properties (HubSpot), and orders or payment history.
  3. Check your processor. If you already use Stripe through either tool, recurring payments live in Stripe, which makes moving them simpler than with a native processor like Keap Pay or HubSpot Payments.
  4. Check the contract. Keap's annual plan has a $299 early termination fee and needs 10 days' notice by phone. On HubSpot, read your renewal terms before the billing date.
  5. Run both tools in parallel for one billing cycle so no client falls through.

For more on migrating client records, see our guide to managing a client CRM without HubSpot. If you want background on what a CRM is designed to do in general, Wikipedia's overview of customer relationship management is a useful primer.

What is the bottom line on HubSpot vs Keap for coaches?

HubSpot is the better starting point for most coaches because it is free to begin and cheap on Starter, and Keap is the better fit for a US coach who wants marketing automation, text and billing in one pricier plan. Neither delivers coaching to your clients, so either one usually becomes part of a larger stack.

If what you actually want is fewer tools and a better client experience, look at a coaching platform before committing to a CRM contract. Coachful covers the CRM work a coach needs (leads, booking, payments, email) and the delivery work neither HubSpot nor Keap attempts, and the team will build your setup for you at no charge.

Frequently asked questions about HubSpot vs Keap

Is HubSpot or Keap cheaper for a solo coach?

HubSpot is far cheaper to start. Its free tools cost nothing for up to two users and 1,000 contacts, and Starter is $7 to $10 per seat per month on a limited-time promo, or $20 at standard pricing, as listed in October 2026. Keap starts at $299 a month or $2,988 a year, plus a required implementation package listed at $500.

Does Keap have a free plan or free trial?

Keap has no free plan. It offers a 14-day trial with no credit card required, but the trial is capped at 25 emails and cannot process payments or send texts, so you cannot test the billing side fully before paying.

Can HubSpot take payments for coaching packages?

Yes. HubSpot supports payment links and billing through Stripe on every tier, and HubSpot Payments on Starter and up in the US, Canada and UK. HubSpot adds a platform fee on top of processing: 0.75% with Stripe, or 0.5% on HubSpot Payments after the first year. Quotes require Professional.

Does either tool give clients an app or portal?

No. HubSpot's mobile app is for your own team, and Keap has no client portal, course hosting or client-facing app. If you want clients to log in to see their program, habits and sessions, you need a coaching platform alongside or instead of the CRM.

Which is better for email automation, HubSpot or Keap?

Keap includes deeper automation in its single plan, with email and text sequences, lead scoring and prebuilt automations. HubSpot's Free and Starter tiers offer simpler automation, and its advanced workflows sit on Professional, which costs more and requires paid onboarding.

Can I use Keap or HubSpot outside the US?

Yes, with limits. HubSpot works with Stripe in any country Stripe supports, while HubSpot Payments is limited to the US, Canada and UK. Keap supports PayPal, Stripe and Eway internationally, but Keap Pay and text marketing are US-only.

Does Coachful integrate with HubSpot or Keap?

Coachful has no HubSpot or Salesforce integration, and there is no direct Keap connection listed. It connects to Zapier, which can pass data between tools. The simpler path is to move your leads and clients into Coachful, which the team imports for you during onboarding.

What is Coachful's free white-glove service?

Every Coachful plan includes a free white-glove build. You request it from Create > We'll build it for you, describe what you need (a website, funnel, program, course outline, email sequence and more), attach references, and the Coachful team builds it inside your account, usually within about 24 hours. It does not cover video recording, logo design, ads or ongoing marketing.

Is Coachful HIPAA-compliant for health coaches?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical records or insurance billing. Health coaches can use it for coaching programs, habits and check-ins, but coaching is not medical care, and anything clinical belongs in a clinical system with referral to a licensed provider when needed.

Should I pick a CRM or a coaching platform?

If you mostly sell and rarely deliver ongoing programs, a CRM like HubSpot or Keap may be enough. If you deliver multi-week programs, courses or group coaching, a coaching platform covers both the sales side and the client side with one login. Add up the CRM plus every tool you would bolt on before you compare prices.
