Dubsado vs HubSpot for Coaches: Honest 2026 Comparison

Dubsado vs HubSpot for Coaches: Honest 2026 Comparison

Dubsado vs HubSpot is really a question about what you want software to do once a prospect becomes a client. Dubsado is a client-workflow tool for service businesses: forms, proposals, contracts, invoices, a scheduler and automated workflows wrapped around each client project. HubSpot is a general sales and marketing CRM: contacts, deal pipelines, email marketing, landing pages and a meetings scheduler, with a generous free tier and per-seat paid plans. For a solo coach who mostly needs paperwork and payments to run on rails, Dubsado fits better. For a coach whose bottleneck is lead volume and email marketing, HubSpot fits better. Neither one delivers the coaching itself: no programs, habits, check-ins, courses or client community.

That gap is why this comparison ends with a third option. We make Coachful, a coaching platform that covers booking, payments, contracts, program delivery, courses, community, a website with funnels and email in one subscription. We will be clear about where Dubsado or HubSpot is still the better pick. Vendor prices and features below are as listed on each vendor's own pages in October 2026, and nothing here comes from hands-on testing: we report what the vendors document and what public reviewers say.

What is the short answer by use case?

Pick by the job you need done most. If the work you dread is sending contracts, chasing invoices and booking calls, Dubsado. If it is generating and nurturing leads, HubSpot. If it is both of those plus delivering the coaching between sessions, a coaching platform such as Coachful.

  • You sell 1:1 packages and want onboarding on autopilot: Dubsado Premier. Its Flows send forms, contracts and invoices in sequence, and its scheduler books calls. Starter lacks both the scheduler and the automations, so most coaches end up on Premier.
  • You want a free CRM and a newsletter while you test the market: HubSpot's free tools. Up to 2 users, 1,000 contacts and 2,000 email sends a month, with HubSpot branding on emails, landing pages and your single meetings link.
  • You run a sales team, multiple pipelines or paid ads at volume: HubSpot Starter or Professional. Deal pipelines, calling, email tracking and reporting are its home ground.
  • You deliver programs, groups or courses and want one login for the whole client journey: Coachful. It is the only one of the three that handles what happens between sessions.

If you have already decided Dubsado is not right, our guide to Dubsado alternatives for coaches covers the wider field, and HubSpot alternatives for coaches does the same on the CRM side.

How do Dubsado and HubSpot compare side by side?

Dubsado manages client admin; HubSpot manages leads and marketing. The table puts them next to each other on the things coaches actually use. We rank on four criteria that matter most to coaches: one login for the whole client journey, between-session delivery, total stack cost, and setup effort.

Read the table as two specialists and a generalist. Dubsado and HubSpot each do one half of a coaching business well. Coachful covers both halves at a lighter depth on the sales side, and adds the delivery half that neither specialist offers.

What do Dubsado and HubSpot cost a coach?

Dubsado costs $35 or $55 a month, with unlimited clients on both plans. HubSpot starts free, then charges per seat, with a Starter promotion of $10 a seat monthly or $7 a seat billed annually against a standard $20.

A few details change the real cost. Dubsado's pricing page shows yearly totals only; the monthly figures come from Dubsado's official information page. The current prices apply to new subscribers since December 1, 2025, and earlier subscribers keep their old rates. Dubsado includes up to 3 additional team members, then charges $25 a month for 4 to 10 users, $45 for 11 to 20 and $60 for 21 to 30. A second brand costs $10 a month. The free trial lasts 21 days with full Premier access and no credit card.

HubSpot pricing page with free and paid tiers
HubSpot's pricing page in October 2026. The currency shown follows the visitor's location.

HubSpot's Starter discount is labelled "limited-time" and "new customers only", and the page does not say how long the discount lasts. Plan your budget on the standard $20 per seat. Marketing contacts above the included tier are billed by tier, and AI features draw on HubSpot Credits, with extra packs at $10 per 1,000 credits per HubSpot's product catalog. Professional and Enterprise require a paid one-time onboarding. HubSpot's older hub pages still list Marketing Hub Professional at $800 a month with 3 seats and a $3,000 onboarding fee, so treat Professional figures as moving while HubSpot shifts to platform pricing.

A worked example: one solo coach, one year

Take an illustrative coach with 15 active clients who wants online booking, automated onboarding and a monthly newsletter.

  • Dubsado route: Premier at $525 a year covers booking, contracts, invoices and workflows. Dubsado is not an email marketing platform, so the newsletter needs another tool, and so does any course, group or habit tracking.
  • HubSpot route: Free tools cover the CRM and newsletter, but every email and your one meetings link carry HubSpot branding. Removing it means Starter: $84 a year per seat at the promo annual rate, or $240 a year at the standard $20. Contracts and coaching delivery still need other tools.
  • Both together: Some coaches run Dubsado for client admin and HubSpot for marketing. That works, but contacts live in two places unless you connect them through Zapier on Dubsado Premier.

For the third route, Coachful's plan covering 15 clients is Solo: $49/month for up to 20 clients, and it includes booking, agreements, payments, email sequences and program delivery under one login. For deeper Dubsado numbers, see Dubsado pricing in 2026.

How do booking and scheduling compare?

Both can book calls, with limits on the cheaper plans. Dubsado's scheduler is a Premier feature, and HubSpot's free tier gives you one branded personal meetings link.

Dubsado's scheduler sits inside its client workflow, so a booked consult can trigger the next step of a Flow, such as sending a questionnaire or a proposal. That is its real advantage: the booking is connected to the paperwork. On Starter you get no scheduler at all, which makes Starter a poor fit for most coaches who take discovery calls.

HubSpot's meetings tool is built for sales calls. The free tier gives one personal link with HubSpot branding. Starter raises that to 1,000 personal and team meetings links, which suits a coach with assistants or associate coaches booking into a shared pipeline. Starter also adds AI meeting recording and transcription.

Coachful's booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync. Sessions get built-in video or auto-created Zoom, Meet or Teams links, email reminders, plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled. You can sell paid sessions or session credits, ask intake questions on booking, and assign multi-coach session types by round-robin or least-busy. More on that at Coachful scheduling software.

How do payments, invoices and contracts compare?

Dubsado is stronger than HubSpot here for a solo coach: contracts, invoices and payment plans are its core. HubSpot handles payment links and billing well, but quotes start on Professional and it is not built around signed coaching agreements.

Dubsado Payments runs on Stripe and accepts cards, ACH, Klarna, Affirm and Tap to Pay; you can also connect PayPal or Square. Dubsado states no platform fee of its own, and it now offers optional surcharging so you can pass card costs on to the client. Contracts, invoices and the client portal are available on both plans, which is why many coaches choose Dubsado in the first place.

HubSpot gives you two routes. HubSpot Payments (Starter and up, US, Canada and UK only) charges 2.9% on cards, 0.8% on ACH capped at $10 and 5.99% for buy now pay later. HubSpot's own platform fee on that route is free for one year and then 0.5% per transaction. The Stripe route works on every tier including Free, but adds a 0.75% HubSpot platform fee on top of Stripe's standard 2.9% + $0.30 card fee. On $60,000 of yearly coaching revenue, used here only as an example, 0.75% is $450 a year before Stripe's own charges.

Coachful takes payments through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay, Google Pay and Stripe Tax, with an invoice per transaction and manual invoices. Since August 2026 there is a 0% Coachful platform fee, so you pay only Stripe or Razorpay processing. Coaching agreements with e-signature go out before the first call and are stored on the client record (coaching contracts, coaching payment software). Coachful does not support PayPal, which matters if your clients expect it; Dubsado does.

How do lead capture, CRM and email marketing compare?

HubSpot wins clearly on marketing and pipeline depth. Dubsado captures leads through forms but is not a marketing tool.

HubSpot's free CRM handles contacts, companies and deals with pipelines, forms, live chat, email tracking and up to 30 landing pages. Starter adds segments, targeted email campaigns, calling, website chat and up to 15 pipelines. Marketing Hub Starter allows up to 10 automated email actions, and Sales Hub Starter up to 50 workflows with restricted triggers. If you run webinars to cold traffic, score leads and have someone doing sales calls, this is the most capable tool of the three.

Dubsado's lead capture is a form: Starter allows 1 active lead-capture form, Premier unlimited. A submitted form creates a lead and can start a workflow. There are no landing pages, no website and no newsletters, so you pair Dubsado with a site builder and an email tool.

Coachful sits between them. It has a prospects list with sources and stages, a board view, intake tracking, a section-based website builder with blog and custom domain, booking, application, lead-magnet and checkout funnels with pixels and UTM tracking, and email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits. It also publishes to Instagram, Facebook, LinkedIn, X, Threads and YouTube from one social planner. What it does not have is a multi-stage sales deal board for large teams, or any HubSpot or Salesforce integration. Our guides on managing coaching leads without HubSpot and managing coaching pipelines without HubSpot walk through that setup.

Here is a short walkthrough of how prospects move through Coachful, from first form to booked call.

How does automation compare?

Dubsado automates client admin; HubSpot automates marketing and sales tasks. Neither automates coaching delivery.

Dubsado's Flows (Premier only) chain steps such as sending a proposal, then a contract, then the first invoice, then a welcome questionnaire, with delays and approvals between them. Expect to spend time building a Flow before it runs on its own. If you onboard many 1:1 clients the same way, this is the most practical automation of the three for admin.

HubSpot's free tier allows one automated email action. Starter adds simple automation, an AI agent builder and automations from records; Professional adds advanced automation. Its automation is built around contacts and deals, such as moving a lead to a stage when they open an email.

Coachful's automations cover app actions and reminders and include Instagram automations: a comment containing a chosen keyword, a DM, a story reply, a mention or a new follower (where Meta supports it) can trigger a DM with your booking link, lead magnet or checkout, and the person lands in your Coachful lead and client records. Email sequences cover nurture, and coaching flows schedule welcome steps and daily or weekly check-ins for clients.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

What do your clients actually experience?

With Dubsado, clients see a portal for forms, contracts and invoices. With HubSpot, clients see emails, landing pages and a booking link; there is no client-facing app. With Coachful, clients get a branded home and app for the whole coaching relationship.

This is the biggest practical difference for coaches. Once the contract is signed, Dubsado and HubSpot have done their job, and you are back to email, shared documents and a separate course or community tool. Most coaching results come from what clients do between sessions, which is exactly where neither tool reaches.

What about data export and switching later?

Both let you get contacts out as files. Neither exports templates in a form another tool can import.

Dubsado exports contacts to CSV with selectable fields, and invoices and bookkeeping data are exportable. Forms and templates are not portable. HubSpot exports records such as contacts, companies and deals from index views as CSV, XLS or XLSX; download links expire after 30 days, and you can run up to 300 exports in a rolling 24 hours. Form submissions, tasks, products and some reports export too.

Coachful exports full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses) and exports courses. When you join, clients, programs and content are imported for you during onboarding. If you are leaving Dubsado, our step-by-step guide on migrating from Dubsado without losing a client covers the order of operations.

Is there a third option? Coachful, honestly

Yes. Coachful is a coaching platform that replaces the 4 to 6 tools a coach typically stitches together around Dubsado or HubSpot. It beats both when you deliver programs and want clients in one place; it does not beat them on deep sales pipelines or PayPal.

What Coachful is. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. You get one login, and your clients get one app with your branding. It is built for coaches who deliver programs, not just sessions, for solo coaches growing into a small team, and for coaches replacing several tools. The company is based in Tallinn, Estonia, and holds a 4.5 Trustpilot score from 21 reviews (for context, Dubsado shows 3.7 from a single review, which is not meaningful, and HubSpot 1.5 from 1,176 reviews).

When Coachful beats both

  • Between-session delivery. Multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Neither Dubsado nor HubSpot has any of this.
  • Courses and community in the same place. Courses with modules, drip and completion tracking; a community feed, group chat, direct messages and video events; cohort groups created automatically when a client enrolls in a program. See group coaching software.
  • Website and funnels included. A section-based website builder with 30 designed homepage templates, blog, custom domain and SEO settings, plus booking, application, lead-magnet and checkout funnels. Dubsado has no website builder; HubSpot's landing pages carry branding on Free. See coach website builder.
  • An assistant that knows your practice. Michelle, the built-in AI assistant, works from live practice data: she builds programs, drafts emails, summarizes recorded sessions and briefs you before sessions. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. See AI coaching assistant.
  • ICF credential tracking. Coaching hours and distinct clients counted against ACC, PCC and MCC thresholds, with an exportable ICF client coaching log (ICF hour tracking).
  • No platform fee on payments. Your own Stripe or Razorpay account, with 0% Coachful platform fee, compared with HubSpot's 0.5% or 0.75%.

When Dubsado or HubSpot is still the better pick

  • You need PayPal or Square. Dubsado supports both; Coachful has no PayPal.
  • You run a multi-person sales team. HubSpot has multi-stage deal boards, calling and up to 15 pipelines on Starter. Coachful has no multi-stage sales deal board for large teams and no HubSpot or Salesforce integration.
  • You want a permanent free plan. HubSpot's free tools have no expiry. Coachful offers a trial, then paid plans only.
  • You run a non-coaching business too. Dubsado is built for service businesses in general; Coachful is not a general website builder for non-coaching sites and has no third-party plugins.
  • You keep clinical records. Coachful is not HIPAA-certified and offers no BAA, so clinical record-keeping and insurance billing belong in a clinical system.

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build something for you inside your own account: a website, funnel, offer or sales page, program, course outline and written material, coaching flow, form, email sequence, link in bio, lead quiz, event or automation. From Create, choose We'll build it for you, describe what you want, and attach up to 8 reference links and up to 10 files such as logos, photos, brand guides or copy. Builds usually arrive within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. One recent example: a business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. Another: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Read more about the free white-glove service.

How do you get started with Coachful?

Start a free trial, then request a white-glove build so your site or first program is ready before you invite clients.

  1. Start the trial and connect your Stripe Connect or Razorpay account and your calendar.
  2. Request a build from Create: describe your offer and attach your existing site, brand files or Dubsado questionnaires as references.
  3. Import clients and content. Clients, programs and content are imported for you during onboarding, so you do not retype a contact list exported from Dubsado or HubSpot.
  4. Set up your agreement and booking page, then send existing clients their invitation to the branded app.
  5. Run old and new tools in parallel for one billing cycle, then cancel the old subscription. Monthly Coachful plans cancel in one click (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients).

Frequently asked questions

Is Dubsado or HubSpot better for coaches?

Dubsado is better if your main need is client admin: contracts, invoices, booking and onboarding workflows. HubSpot is better if your main need is lead generation, email marketing and sales pipelines. Neither delivers coaching programs, so coaches who run programs or groups usually add more tools or choose a coaching platform instead.

Is HubSpot really free for coaches?

HubSpot's free tools have no time limit and need no credit card. They cover up to 2 users and 1,000 contacts, with 2,000 email sends a month, one meetings link and up to 30 landing pages, all carrying HubSpot branding. Removing branding and adding automation needs Starter, standard price $20 a seat per month.

Does Dubsado have a free plan?

No. Dubsado offers a 21-day free trial with full Premier access and no credit card. After that, Starter costs $35 a month and Premier $55 a month, or $335 and $525 a year.

Can Dubsado replace HubSpot for email marketing?

No. Dubsado states that it is not an email marketing platform and does not include website building. You can send client emails inside workflows, but newsletters and nurture campaigns need a separate tool.

Can HubSpot send contracts for e-signature like Dubsado?

HubSpot's Starter pricing focuses on CRM, email, meetings and payments; quotes start on Professional. Signed coaching agreements are not what HubSpot is built around, which is a reason many coaches pair it with a separate contract tool. Dubsado includes contracts on both of its plans.

What fees does HubSpot charge on payments?

With HubSpot Payments (US, Canada and UK, Starter and up), cards cost 2.9%, ACH 0.8% capped at $10, plus a HubSpot platform fee that is free for one year and then 0.5%. With Stripe inside HubSpot, HubSpot adds a 0.75% platform fee to Stripe's normal charges.

Can I use Dubsado and HubSpot together?

Yes, some coaches do: HubSpot for marketing, Dubsado for client admin. Dubsado Premier includes Zapier, which you would use to pass new clients between them. The trade-off is two logins, two contact lists and still no tool for program delivery.

Does Coachful integrate with HubSpot?

No. Coachful has no HubSpot or Salesforce integration. It includes its own prospects list, funnels, email sequences and booking, so most coaches move their leads into Coachful rather than syncing the two. Coachful does connect to Zapier for other tools.

What is Coachful's free white-glove service?

It is a build service included on every Coachful plan. You describe what you want, such as a website, funnel, program or email sequence, attach reference links and files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not cover video recording, logo design or ad management.

Is Coachful HIPAA-compliant for health coaches?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. Coaching is not medical treatment; if a client shows signs that need medical or mental health care, refer them to a qualified professional and keep any clinical records in a clinical system.
