TimeTuna vs Calendly: Which Scheduler Fits Coaches?

TimeTuna vs Calendly: Which Scheduler Fits Coaches?

If you are weighing timetuna vs calendly as a coach, the short version is this: TimeTuna gives you more on its free plan (unlimited booking pages, video links, two-way calendar sync) and is cheaper per year if you pay annually, while Calendly is the larger, better-documented tool with a long public review record and deeper team and routing features. Neither one runs a coaching practice. Both stop at the booked slot: no client records, no programs, no check-ins between sessions, and no coaching agreements. That gap matters more for most coaches than the few euros or dollars between the two schedulers.

This comparison uses what each vendor publishes on its own pricing and product pages, as listed in October 2026, plus what public review sites show. We have not run either tool in a live practice, and we say so where it matters. We make Coachful, a coaching platform that includes scheduling, so we also cover when a third option beats both and when it does not.

What is the short answer by use case?

Pick TimeTuna if you want a polished, branded booking page for free or almost free and you are a solo coach. Pick Calendly if you need a scheduler that your clients already recognise, or you run a team that needs routing and managed event types. Pick a coaching platform if bookings are only the first step of what you deliver.

Here is the decision broken down by the kind of coach asking the question. We rank on four criteria that matter to coaches more than to sales teams: one login for the whole client journey, delivery between sessions, total stack cost once you add the tools a scheduler leaves out, and how much setup effort it takes to go live.

  • You run a full coaching practice (programs, packages, check-ins): Coachful, because both schedulers would leave you buying and connecting four or five other tools.
  • You only need a free booking link today: TimeTuna. Its free plan includes unlimited booking pages, custom image and video backgrounds, Google, Microsoft and iCal sync and automatic Zoom, Google Meet or Microsoft Teams links. Calendly Free is limited to one event type and one calendar connection.
  • You want to charge for sessions at the lowest cost: close call. Calendly Standard includes Stripe and PayPal payments at $10 per seat per month on annual billing ($120 a year). TimeTuna puts Stripe payments on Executive, listed at $140 a year (€120 a year in euros).
  • You coach with a small team: Calendly Teams if you need round-robin across many coaches and lead routing; TimeTuna Executive if you are up to six people and want a flat annual price.
  • You care about public track record: Calendly. It shows a Trustpilot score of 4.1 from 714 reviews, as listed in October 2026. We found no review-site profile for TimeTuna at all.

How do TimeTuna and Calendly compare side by side?

On the core job of booking a session, the two tools are close. The differences sit in what each one gives away for free, which plan unlocks payments, and how far the team features go. The table puts Coachful first because it is the option we recommend for coaches who deliver more than single calls.

Vendor facts are as listed in October 2026. Calendly's review count was seen on Trustpilot on 25 October 2026; a check of Trustpilot for TimeTuna returned no page.

Who are TimeTuna and Calendly?

TimeTuna is a small booking-page scheduler. Its homepage has audience tabs that list Coaches first, then Consultants, Founders and Agencies. Parts of its site and API still carry the name Bookva, and third-party directories describe it as renamed from Bookva.ai. Its core data is hosted in London, according to its GDPR page.

AI search answers often suggest TimeTuna as an alternative to coaching platforms such as Paperbell. That is a fair suggestion only if all you need is booking and payment; we cover that matchup in TimeTuna vs Paperbell, and the broader field in TimeTuna alternatives.

Calendly is the scheduling tool most clients have already clicked through at some point. It serves individuals on its Free and Standard plans and moves up to Teams and Enterprise, where it adds round-robin, lead qualification and routing, Salesforce sync and admin controls. For coaches, it is still a scheduling tool only: booking pages, reminders and workflows, and paid bookings. Our Calendly review goes deeper.

How does TimeTuna pricing compare with Calendly pricing?

On annual billing, TimeTuna Pro is listed at $70 a year and Calendly Standard at $120 a year, so TimeTuna is cheaper for a solo coach. Once you need to take payments, TimeTuna's Executive plan ($140 a year) costs a little more than Calendly Standard ($120 a year). The table below shows every plan as each vendor lists it.

A few things to know before you read too much into those numbers.

  • TimeTuna shows euros by default. The site picks the currency from your location. The dollar figures above come from TimeTuna's own price table; an EU visitor sees €10 a month or €60 a year for Pro, and €20 a month or €120 a year for Executive. The yearly toggle is labelled "Save 50%". TimeTuna's own Paperbell comparison page quotes a different figure ($10 a month or $120 a year), so confirm the price at checkout.
  • Calendly no longer shows monthly billing prices. The $10 and $16 figures are annual-billing prices per seat per month, which Calendly's help center confirms for Teams. If you pay monthly, expect to pay more.
  • Trials. TimeTuna lists a 14-day free trial on Pro and Executive. Calendly's pricing page did not show its trial terms in October 2026; older Calendly documentation described a 14-day Teams trial with no card that drops back to Free.
  • Transaction fees. Neither vendor documents its own fee on paid bookings. TimeTuna's comparison page claims "0% commission on payments". With both, Stripe (or PayPal on Calendly) charges its normal processing fees.

What does each tool cost a real coach per year?

For a solo coach who takes payments, the two cost about the same per year; for a two-coach team, TimeTuna's flat Executive price is cheaper than paying Calendly per seat. These are illustrative examples using the listed annual prices, before Stripe or PayPal fees.

  • Example 1, solo coach, free consults only: TimeTuna Free covers unlimited booking pages at $0. Calendly Free covers one event type, so a separate "discovery call" and "paid session" type would need Standard at $120 a year.
  • Example 2, solo coach, paid sessions with a branded intake form: TimeTuna Executive at $140 a year (custom form fields start on Pro, payments on Executive). Calendly Standard at $120 a year.
  • Example 3, two coaches sharing round-robin booking: TimeTuna lists round-robin from Pro and team sharing for up to six people on Executive, so $140 a year. Calendly puts round-robin on Teams: 2 seats at $16 a month each is $384 a year.

Now add what a scheduler does not include. A coach who also needs a contract tool, a client portal or program app, a course host and an email tool often pays for four or five subscriptions on top of the scheduler. That is the real cost comparison, and it is why we cover a third option below.

How do the features compare, one by one?

Feature for feature, TimeTuna puts more into its free and low tiers, while Calendly goes further at the top end with routing, managed event types and enterprise controls. Here is how they line up on the features coaches use most.

Booking pages and design

TimeTuna leans hard on looks: custom image and video backgrounds are on the free plan, and it suggests the "best 3 slots" to a visitor rather than a full grid. Calendly's booking page is simpler and very familiar to clients. If your booking page is the first thing a prospect sees, TimeTuna gives you more design for less money.

Calendar sync and video

Both connect Google and Microsoft calendars and create Zoom, Meet or Teams links. The difference is the free tier. TimeTuna Free includes sync and all three video providers. Calendly Free gives you one calendar connection, which works for a coach with one calendar but not for one who keeps a separate personal and business calendar.

Reminders and no-shows

Calendly includes automated reminders and workflows from Standard. TimeTuna sends email confirmations on Free, custom reminders from Pro, and SMS reminders on Executive through your own Twilio account. TimeTuna says it adds no per-message fees or limits, and Twilio bills you directly, so text reminders mean opening and paying for a second account. For more on cutting no-shows, see how to automate client scheduling without Calendly.

Payments

Calendly takes Stripe and PayPal from its Standard plan. TimeTuna takes Stripe only, from Executive, and confirms the slot once payment clears. Neither sells packages of sessions, payment plans or subscriptions in the way a coaching program needs; TimeTuna's own comparison page lists client packages and programs as "Coming soon". If you sell a 12-week package, you will be charging for it somewhere else.

Teams

Calendly is the stronger team tool: round-robin, lead qualification and routing, managed event types and team analytics on Teams, with Salesforce, SSO and audit logs further up. It is priced per seat, so each coach pays. TimeTuna lists multi-host pages and round-robin on Pro and team sharing for up to six people on Executive at a flat annual price, plus a white label plan for agencies managing client companies.

Data and privacy

TimeTuna offers a self-serve JSON export of your profile, booking pages and bookings from settings, sent as a link that expires after 10 minutes, and states that core data is hosted in London. Calendly exports scheduled events to CSV, and your bookings also live in your connected calendar and your payments in your own Stripe or PayPal account.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

What is the client experience like on each?

On both tools the client's experience ends at the confirmation email. They pick a time, maybe answer a few questions, maybe pay, and get a calendar invite and reminders. There is no place for them to return to between sessions.

That is fine if you sell single sessions. It is thin if you sell outcomes. A coaching client in week three of a program wants to see their goals, log a habit, answer a check-in, find the worksheet you sent and message you. With either scheduler, each of those lives in a different tool, often with a different login, and the client has to remember where everything is.

Small differences still count at the booking step. TimeTuna's video backgrounds and suggested slots can make the first click feel more personal, and its white label plan removes the TimeTuna name entirely. Calendly's page is plain, but many clients have used it before, which removes a little friction for a first-time booker.

Which should you pick for which kind of coach?

Choose by what you sell, not by the scheduler's feature list. If you sell single sessions, either works; if you sell programs, neither is enough on its own.

  • New coach doing free discovery calls: TimeTuna Free gives more for $0 than Calendly Free. See Coachful for new coaches if you want everything else in place from the first client.
  • Solo coach selling paid single sessions: Calendly Standard if you want PayPal or a familiar booking page; TimeTuna Executive if you want stronger branding and SMS through Twilio.
  • Coach selling packages or multi-week programs: neither. You need session credits, payment plans, a client portal and check-ins, which belong in a coaching platform.
  • Small coaching team (2 to 6 coaches): TimeTuna Executive is cheaper on a flat annual price; Calendly Teams if you need routing forms and managed event types.
  • Coaching company selling to large enterprises: Calendly, for Salesforce sync, SSO and enterprise admin.
  • Agency booking on behalf of client businesses: TimeTuna White label, which is built for that case.

Is there a third option that beats both TimeTuna and Calendly?

Yes, for coaches who deliver programs rather than single calls: Coachful replaces the scheduler and the tools around it with one login for you and one branded app for your clients. It does not beat both for every coach, and we say where below.

A client's habit tracker and the coach's client overview in Coachful
A client's habit tracker and the coach's client grid in Coachful, the work that happens between booked sessions.

Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. It is built for coaches who deliver programs, not just sessions; solo coaches growing into a small team; and coaches replacing four to six tools.

Scheduling in Coachful

Booking pages come with availability rules, buffers, minimum notice and time-zone detection, and two-way Google, Apple/iCloud and Outlook calendar sync. Sessions get a built-in video room or an auto-created Zoom, Meet or Teams link. Reminders go by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. You can sell paid sessions and session credits, ask intake questions on booking, and assign multi-coach session types by round-robin or to the least-busy coach. Here is a walkthrough of scheduling:

What happens after the booking

This is where Coachful differs from both schedulers. Before the first call, the client signs a coaching agreement with e-signature, stored on their record (more on coaching contracts). Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, coupons, Apple Pay and Google Pay, with an invoice per transaction. Coachful takes a 0% platform fee; you pay only Stripe or Razorpay processing.

On your side, each client record holds goals, check-ins, habits, notes, intake answers, payments, sessions and an AI briefing, with a status of thriving, active, quiet or at risk. Michelle, the built-in AI assistant, briefs you before sessions and summarizes recorded sessions.

Why Coachful stands out

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you inside your own account: a website, a funnel, a sales page, a program, a course outline and written material, an email sequence, a form or an automation. You describe what you want from Create, attach up to 8 reference links and up to 10 files, and the team usually builds it within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices; gaps are left for you to fill. For example, a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button, and a menopause and midlife health coach starting from nothing got a five-page site with every button leading to a free 20-minute consultation. Read more about the free white-glove service.

How the cost compares

Coachful runs on flat monthly plans (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats. Monthly plans cancel in one click. Compare that with a scheduler plus a contract tool, a client app, a course host and an email platform, not with the scheduler alone. A coach with 15 active clients would look at this plan: Solo: $49/month for up to 20 clients.

When Coachful does not beat TimeTuna or Calendly

  • You only need a booking link at zero cost. Coachful is a paid membership after the trial. TimeTuna Free or Calendly Free costs nothing.
  • You need routing forms. Coachful has no routing forms that pick a host from form answers. Calendly Teams does.
  • You sell into large enterprise sales teams. Coachful has no Salesforce or HubSpot integration and no multi-stage deal board. Calendly covers those.
  • You need PayPal. Coachful does not support PayPal. Calendly does.
  • You keep clinical records or bill insurance. Coachful is not HIPAA-certified and does not sign a BAA. Neither scheduler is a clinical system either, so use a dedicated clinical tool for that work.
  • You want your client app under your own App Store account. Coachful's client app ships under the Coachful listing with your branding inside it.

To start, open a free trial, then ask the team to build your website, funnel or first program through the white-glove service. Clients, programs and content are imported for you during onboarding. For a direct matchup, see Coachful vs Calendly and our scheduling software page.

What do public reviews say about each tool?

Calendly has a large public review record; TimeTuna has almost none. As listed in October 2026, Calendly shows a Trustpilot score of 4.1 from 714 reviews, up from 660 at an earlier check. When we looked for TimeTuna on Trustpilot, the page did not exist, and we found no other review-site profile. That does not mean TimeTuna is bad; it means there is little independent evidence either way, so lean on its 14-day trial and test it with your own calendar before you move clients onto it.

Coachful shows a Trustpilot score of 4.5 from 21 reviews, a small sample, so treat it the same way: try it before you commit.

How hard is it to switch between them?

Switching between two schedulers is easy because there is little to move: your bookings already sit in your Google or Microsoft calendar, and your payments sit in your own Stripe account. Rebuild your event types, swap the booking link on your website and email signature, and keep the old tool live until existing bookings are done.

TimeTuna's JSON export and Calendly's CSV export of scheduled events help you keep a record. Moving to Coachful is a larger step because it brings clients, programs and content into one place, which is why the import is done for you during onboarding. If you are leaving Calendly in particular, how to manage client scheduling without Calendly walks through the process, and Calendly alternatives for coaches covers other options.

Frequently asked questions

Is TimeTuna better than Calendly?

For a solo coach on a free or low budget, TimeTuna gives more: unlimited booking pages, calendar sync and video links on its free plan. For teams that need routing, managed event types and enterprise admin, Calendly is stronger. Calendly also has a long public review record, while we found no review-site profile for TimeTuna.

Is TimeTuna free?

Yes. TimeTuna has a free plan with unlimited booking pages and no credit card required, as listed in October 2026. Custom forms, custom domain and custom reminders start on Pro, and Stripe payments need Executive. Paid plans list a 14-day free trial.

How much does TimeTuna cost compared with Calendly?

TimeTuna Pro is listed at $70 a year (€60) and Executive at $140 a year (€120), or $11.50 and $23 billed monthly. Calendly Standard is $10 per seat per month and Teams $16 per seat per month on annual billing. TimeTuna shows euros by default to EU visitors.

Can I take payments for coaching sessions with TimeTuna or Calendly?

Yes, with both. Calendly takes Stripe and PayPal from Standard; TimeTuna takes Stripe on Executive and confirms the slot once payment clears. Neither sells session packages, payment plans or programs in the way a coaching practice needs.

Does Calendly Free work for coaches?

Only for the simplest setup. Calendly Free allows one event type and one calendar connection, so a coach offering a free consult and a paid session would need Standard. Reminders and payments also start on Standard.

Is TimeTuna the same as Bookva?

It appears so. Parts of TimeTuna's site and API still use the Bookva name, and third-party directories say it was renamed from Bookva.ai. TimeTuna's own pages do not explain the change.

Which tool is better for a coaching team?

For two to six coaches, TimeTuna Executive covers team sharing at a flat annual price. Calendly Teams charges per seat but adds routing, managed event types and team analytics. Coachful's team plans add coach seats with per-coach availability and round-robin or least-busy assignment.

What is Coachful's free white-glove service?

It is a done-for-you build service included on every Coachful plan. You describe what you want, such as a website, funnel, program or email sequence, attach references, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include recording videos, logo design or ad management.

Do I still need TimeTuna or Calendly if I use Coachful?

Usually not. Coachful includes booking pages, calendar sync, video links, reminders and paid sessions in your Coachful membership. You might keep Calendly if you rely on routing forms, PayPal or a Salesforce integration, which Coachful does not offer.
