The 7 Best Vibly Alternatives, Compared

The 7 Best Vibly Alternatives, Compared

The best Vibly alternatives depend on one question: are you running a coaching organization, or a coaching practice? Vibly is built mainly for organizations such as coaching firms, employers, wellness programs, clinics and coach networks. It gives them an operations portal for coach rosters, client assignment and sponsor reports, two-way HubSpot sync, an API, and HIPAA compliance with a signed Business Associate Agreement (BAA). If that describes you, Vibly may already be the right tool. If you are a solo coach or a small team selling programs to individual clients, you are probably paying for machinery you do not use and missing the parts you need.

For most coaches in that second group, our pick is Coachful. One subscription covers booking, payments, contracts, multi-week programs with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your clients. It is not HIPAA-certified and has no HubSpot integration, so organizations that need either should keep reading the sections below before deciding. We make Coachful, so weigh our ranking with that in mind; every vendor fact here comes from the vendor's own pages as listed in October 2026.

This guide starts with five questions to answer about your practice, maps your answers to a pick, then reviews seven tools, compares cost at 5, 15 and 40 clients, and covers the red flags and switching costs that catch coaches out.

What should you ask about your practice before leaving Vibly?

Answer these five questions first. Most bad software decisions come from comparing feature lists before knowing which features matter to your own week.

  1. Do you handle protected health information? If you work inside a clinic, a health plan or an employer wellness program that treats your session notes as health records, you may need a vendor that signs a BAA. The U.S. Department of Health and Human Services explains who counts as a covered entity or business associate on its HIPAA pages. Vibly offers a BAA. Most coaching platforms, Coachful included, do not. Coaching is not treatment: if a client needs diagnosis, therapy or medical care, refer them to a licensed professional, and keep clinical records in a clinical system.
  2. Who pays you, the client or a sponsor? Vibly's sponsor reports and client assignment suit coaching bought by an employer for its staff. If clients pay you directly, you need checkout pages, payment plans, coupons and invoices more than sponsor dashboards.
  3. What happens between sessions? If your results depend on clients doing the work between calls (habits, daily tasks, check-ins, lessons), the client-side experience matters more than the back office. Ask how the client sees their week, and whether they need a browser bookmark or an app.
  4. How many coaches will log in within a year? One coach, a handful of associates, or dozens of contractors assigned by an operations team? The answer separates per-seat team plans from enterprise portals.
  5. How many other tools do you pay for today? Add up your website builder, email platform, course host, community app and scheduler. A higher subscription that replaces four tools can cost less in total than a cheap one that replaces none.

Which Vibly alternative fits your answers?

Use this table to turn your five answers into a shortlist. If your answers point in two directions, the first matching row usually wins.

How do the 7 Vibly alternatives compare at a glance?

How we ranked: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including any done-for-you build).

For reference, Vibly lists Basic at $25/month ($20 billed annually) and Pro at $59/month ($50 annually) for solo coaches, Teams at $149/month for 2 seats plus $50 per extra seat, and a custom Enterprise plan sold by demo, as listed in October 2026. It offers a 14-day trial, takes no fee on client payments beyond Stripe's, and advertises a $20/month AI add-on that is still marked "Coming Soon". Its Capterra rating was 4.9 from 22 reviews when we checked in October 2026.

To make the comparison concrete, picture one example practice: 15 paying one-to-one clients, one 8-week group program running twice a year, a simple website, a weekly email, and a plan to bring on one associate coach next year. We looked at what each tool documents for that scenario: how many separate subscriptions it still needs, what the client sees between calls, and what the monthly bill looks like at 5, 15 and 40 clients.

1. Coachful: the whole client journey in one login

Coachful is the strongest Vibly alternative for coaches who sell programs to individuals, because it puts the marketing, the sale, the paperwork and the between-session work in the same place. Where Vibly is organized around an operations team managing coaches, Coachful is organized around a coach managing clients.

What a client goes through

A prospect finds your website, built with the section-based builder (30 designed homepage templates, blog, custom domain, SEO settings) or one of the booking, application, lead-magnet and checkout funnels. They book a call through a page that respects your availability rules, buffers, minimum notice and their time zone, and Coachful syncs both ways with Google, Apple/iCloud and Outlook calendars. The call runs on built-in video or an automatically created Zoom, Meet or Teams link, with email reminders plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled.

When they say yes, they pay through your own Stripe Connect or Razorpay account: one-time, subscription or payment plan, with coupons, order bumps, Apple Pay and Google Pay, and Stripe Tax. Coachful has taken a 0% platform fee since August 2026, so only Stripe or Razorpay processing applies. A coaching agreement with e-signature goes out before the first call and is stored on the client record.

Then the program starts. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses (with modules, drip and completion tracking), downloads, videos and AI tools land in the client's branded home and app. Enroll a client in a group program and a cohort group is created automatically, with a feed, group chat, direct messages and video events.

What you see as the coach

Every client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, plus an AI briefing and a status of thriving, active, quiet or at risk. That status is the closest Coachful equivalent to the oversight an operations portal gives an organization: you can see who is drifting before they cancel.

Coachful's client dashboard with demo clients, status tags and insights such as task completion and check-in rate.

Michelle, the built-in AI assistant, works from your live practice data. She builds programs, drafts emails and content, summarizes recorded sessions and briefs you before each call; if you opt in, she gives private feedback on your coaching against ICF Core Competencies 3 to 8. Questions and planning are included in your Coachful membership, while confirmed builds and changes use AI credits. Vibly's AI add-on, by contrast, was still on a waitlist when we checked. Coachful also tracks coaching hours and distinct clients against ICF ACC, PCC and MCC thresholds and exports an ICF client log (see ICF hour tracking).

Email lists, broadcasts and multi-step sequences with branching and A/B splits replace a separate email tool. Team plans (Studio and Agency) add coach seats with per-coach availability, staff permissions, and round-robin or least-busy assignment for shared session types, which covers what a small firm needs from Vibly's Teams plan. Read more on Coachful for teams and group coaching.

Where Vibly still wins

Be clear about the gaps. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. It has no HubSpot or Salesforce integration (Zapier is available), no multi-stage sales deal board for large teams, and no routing forms that pick a host from form answers. The client app ships under the Coachful listing with your branding, not under your own App Store account. There is no PayPal. If an employer sponsor needs a BAA and HubSpot sync, Vibly is the honest answer.

Pricing and getting started

Plans are flat and monthly; lower plans cap the number of clients, Pro is unlimited, and team plans add seats (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click, and there is a free trial. During onboarding your clients, programs and content are imported for you, and you can export everything as a ZIP later.

Why Coachful stands out: a free white-glove service. On every plan, you can open Create, choose "We'll build it for you · FREE", and describe what you want: a website, funnel, sales page, program, course outline, email sequence, form, link in bio, webinar or automation. Attach up to 8 reference links and up to 10 files such as logos, photos and brand guides. The Coachful team builds it inside your own account, usually within about 24 hours, and invents nothing: no fake credentials, testimonials or prices, with gaps left for you to fill. One recent example: a real-estate and money coach got a year-long cohort program with an application form, an eight-page site and a nine-day bootcamp funnel. Recording videos, logo design and ad management are not included. Details are in our white-glove service guide.

In short: Coachful is a coaching platform for coaches who deliver programs, not just sessions, from solo practitioners to small teams replacing 4 to 6 tools. It does not do HIPAA, PayPal or HubSpot. Start with the free trial and ask for the white-glove build on day one. For a side-by-side page, see Coachful as a Vibly alternative.

2. AttractWell: for coaches who live in their marketing

AttractWell suits coaches whose business is driven by a large audience: lots of contacts, text campaigns, multiple domains and a store. It is an all-in-one for coaches, course creators, consultants, authors and speakers.

AttractWell homepage presenting its all-in-one platform for coaches and course creators

Feature set. Website, funnels, blog, CRM, email and texting, booking, contracts, invoicing and a store sit in one account. Session ("call") packages track usage. Courses are called vaults, and there is a Facebook-style community with scheduled posts, memberships with recurring payments, drip content and custom GPTs.

Plans as listed in October 2026. Starter $69/month (500 contacts, 100 texts, 5 automations, 1 vault, Zoom up to 5 people, no call packages), Basic $99/month (1,000 contacts, 5 call packages, 3 vaults), Premium $129/month (4,000 contacts, unlimited booking links and call packages), Pro $179, Diamond $239, and Team $600/month starting at 6 accounts. The first month costs $1 instead of a trial, and AttractWell charges a 0% transaction fee. Its Trustpilot rating was 4.6 from 21 reviews in October 2026.

Trade-offs. Limits are everywhere: contacts, texts, automations, vaults and video counts all step up by plan, and extra vaults and classes cost $17/month more. Session packages are missing on Starter, so a coach selling packages starts at $99. The data we hold does not mention habit tracking, daily check-ins or a BAA, so a coach whose results depend on between-session work should check those first.

Pick it over Coachful if texting campaigns and a large contact database drive your revenue and you want those inside the same account as your site.

3. Quenza: worksheets and activities first

What does Quenza do best? Client activities. It is a client-engagement tool for coaches and therapists built around activities, worksheets, programs, chat and a client app.

Quenza homepage presenting its client activity and worksheet tool for coaches and therapists
Quenza's homepage in October 2026.

Prices as listed in October 2026: Spark $25/month ($20 annually) for 1 professional and 10 clients, Growth $50/month for 250 clients, Impact $125/month for 400 clients, Collective $160/month for up to 3 professionals and 500 clients, and a custom Beyond plan for unlimited clients and professionals. There is a 30-day trial with no card. Trustpilot showed 4.3 from 8 reviews in October 2026.

The catch is everything around the activity. Quenza does not process client payments today; invoicing and digital products are marked as planned. An older profile we hold reports no scheduling or video calls either. So a Quenza practice usually still pays for a scheduler, a payment tool and a website, which pushes the total stack cost well past the sticker price. For a team of up to three, though, Collective is simple and generous on client count.

Quenza fits therapists and coaches who already have booking and billing sorted and want a polished way to send structured exercises.

Pick it over Coachful if you only need a worksheet and activity layer on top of tools you already like, and you do not want to move booking or payments.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

4. Simply.Coach: the closest match for sponsor-funded coaching

If you liked Vibly's organization features but find it too large, Simply.Coach is the nearest fit on this list. It is a coaching practice platform with contracts, programs, sessions, booking pages, a client portal and business tiers that include program managers and sponsors.

Simply.Coach homepage presenting its coaching practice platform for individual and business coaches
Simply.Coach's homepage in October 2026.

Solo plans as listed in October 2026: Starter $9/month (3 active coachees, 1 contract, 1 program), Essentials $29/month (7 coachees), Growth $49/month (30 coachees, 3 calendars) and Leap $69/month (unlimited coachees, contracts and programs). Business plans price per active coach: CoCreate at $79/month with 10 clients per coach, and Surge at $159/month with 25 clients per coach, 2 program managers and 5 sponsors. A 14-day trial needs no card.

Watch three things. Every solo tier below Leap caps clients, contracts and programs, so growth forces upgrades. Automated invoices were marked "Coming Soon" on the solo pricing page. And there are no refunds for mid-period cancellations. Our data does not show a website builder, email marketing or community, so a coach selling to the public still needs those elsewhere.

For an executive coaching boutique with a few corporate sponsors, though, the sponsor roles on Surge map well to what Vibly offers organizations. See also our GoHighLevel alternatives for executive coaches.

Pick it over Coachful if sponsor roles and program managers matter more to you than a website, funnels and a community.

5. Practice Better: practice management for wellness practitioners

Practice Better is built for nutrition and wellness practitioners, which makes it the natural shortlist entry for Vibly users coming from clinics or wellness programs. It covers scheduling, telehealth, charting, billing, programs and a client portal.

Practice Better homepage presenting its practice management software for wellness practitioners
Practice Better's homepage in October 2026.

Listed plans in October 2026: Sprout $0 (3 clients, 1 practitioner), Starter $35/month (10 clients), Professional $69/month (300 clients), Plus $99/month (unlimited clients, 3 admins) and Team $155/month for 2 practitioners, up to 200 at $50 each. Trials run 30 days on Team and 14 days on other paid plans. Payments run through Practice Better Payments, powered by Stripe. Trustpilot showed 3.8 from 87 reviews in October 2026.

Limits worth knowing: evergreen programs, portal branding, a custom URL and SMS only start on Plus at $99/month, and an older profile reports no website builder or funnel pages. Below Team, each account has one practitioner. The vendor material we hold does not confirm whether Practice Better signs a BAA, so if HIPAA is the reason you chose Vibly, ask Practice Better directly before moving any records.

A reminder for health and wellness coaches: coaching is not treatment. If your work drifts into diagnosis or clinical nutrition therapy, that work belongs with a licensed professional and a clinical system. Our page for health coaches covers where coaching ends.

Pick it over Coachful if you chart sessions like a practitioner and need telehealth and practice-style billing more than marketing tools.

6. Coaches Console: a long-running all-in-one

Coaches Console is one of the older coach business systems. It bundles a CRM, calendar, website, client portal, email and invoicing, with courses on the top plan.

Coaches Console homepage presenting its business system for coaches
Coaches Console's homepage in October 2026.

Two plans were listed in October 2026: Core Console System at $197/month ($166.42 annually), a single coach account with client limits not specified, and Total Console System at $297/month with unlimited products and courses. There is no free trial; billing details are required at signup, and a 30-day money-back guarantee replaces the trial.

That $197 entry is the highest in the coaching-admin group we track. Reviewers in an older profile describe the interface as dated. Accounts are single-coach, so it is not a home for the multi-coach operations Vibly handles. What you get in return is a mature, broad system that covers most of a solo practice.

Pick it over Coachful if you value a long track record over a modern client app and are comfortable paying a premium without a trial.

7. Coach Recap: a lean start for brand-new coaches

Coach Recap is built for solo coaches and says plainly it is not aimed at agencies or enterprises, which makes it the opposite of Vibly. It earns a place here for coaches whose first realization was that Vibly is more than they need.

Coach Recap homepage presenting its session notes and booking tool for solo coaches
Coach Recap's homepage in October 2026.

It offers client profiles with session history, notes, goals and action items with full-text search; a booking page with buffers and notice rules; two-way Google Calendar and Outlook sync; email reminders at 24 hours, 1 hour and 15 minutes; and programs sold as session packs or monthly subscriptions through Stripe, with sessions used and remaining tracked. Intake forms, check-ins, contracts and private chat are included.

As listed in October 2026: Starter is $0 for up to 3 active clients (active means a session or booking in the last 90 days), Professional is $29/month for up to 20, and Business is $79/month for unlimited clients. Coach Recap takes no cut of client payments beyond Stripe's fees. App Store prices differ from the website, which the vendor does not explain.

There are no courses, community, website or email marketing in what we found, so it is a session tool rather than a program platform. See our Coach Recap alternatives for more.

Pick it over Coachful if you have three or fewer clients, sell sessions rather than programs, and want to spend nothing until that changes.

Which features does each alternative include?

The matrix below shows what each vendor documents. "Not listed" means we found no mention in the vendor material we hold, not that the feature is definitely missing.

What do these Vibly alternatives cost at 5, 15 and 40 clients?

Monthly list prices on the cheapest plan that covers each client count, billed monthly, as listed in October 2026. Payment processing fees are extra everywhere. These are examples for one practice size; your real total also depends on the tools each option still forces you to keep.

Tool5 clients15 clients40 clientsStill need separately

Coaches Console$197 Core$197 Core$197 CoreCourses need the $297 plan
Coach Recap$29 Professional$29 Professional$79 BusinessWebsite, courses, email

Here is how to read the last column. Take Quenza at 15 clients: its $50 plan looks cheap, but if you add a scheduler, a payment tool and a website builder, you are paying four vendors and asking clients to use several logins. Run the same sum for your own stack before trusting a sticker price. Our coaching software guide walks through that exercise.

What red flags and switching costs should you watch for?

The cost of switching is mostly time and client confusion, not money. These are the problems that come up most often when coaches leave an organization-focused tool.

  • Exports you cannot get. Vibly has no public help center or documented export, so ask its support for your client list, notes and session history before you cancel. Coachful exports a full client ZIP (roster, notes, check-ins, goals, habits, sessions, form responses), which protects you on the way out too.
  • Health records in the wrong place. If any records you hold in Vibly are protected health information under a BAA, moving them to a platform without one can create a compliance problem. Keep those in a HIPAA-covered system and move only coaching material. Check with an attorney if you are unsure whether HIPAA applies to you.
  • Caps that bite at renewal. Client, contract, program, contact and seat caps are the main price driver on Simply.Coach, Quenza, AttractWell and Practice Better. Price the plan you will need in a year, not today.
  • Features marked "coming soon". Vibly's AI add-on, Simply.Coach's automated invoices and Quenza's payments were all labelled as planned. Buy what ships today.
  • CRM integrations you rely on. If your sales team lives in HubSpot, note that Coachful does not integrate with it. Read our HubSpot alternatives for coaches if you are open to replacing the CRM too.
  • Active payment subscriptions. Recurring Stripe subscriptions do not move by themselves. Plan to let current billing cycles finish, then start new subscriptions in the new tool.

How a move to Coachful runs, step by step

Laptop showing Coachful's coach dashboard and a phone showing the client's coaching hub
Coachful's coach dashboard with its setup checklist on a laptop, and the client's coaching hub with the next session on a phone, both with demo data.
  1. Export from Vibly. Request your client list, notes and program content from Vibly support. Leave any BAA-covered records where they are.
  2. Start the trial and request the build. Open Create, choose the white-glove build, and attach your old site link, logo and program outline. Your clients, programs and content are imported for you during onboarding.
  3. Connect Stripe and calendars. Link your own Stripe Connect account and your Google, Apple or Outlook calendar so availability is live from day one.
  4. Rebuild the agreement. Upload your coaching agreement so new clients e-sign it before the first call. Our coaching contracts page explains the flow.
  5. Turn on the program. Load your 8-week group program with weekly goals, daily tasks, habits and check-ins, and let enrollment create the cohort group.
  6. Invite clients. Each client gets your branded home and app, sees their next session, their habits for today and the community, and signs in with one login.

From the client's side, the change is simple: one invitation, one app with your branding, and everything they used to find across email threads and links in one place.

Which Vibly alternative should you choose?

Stay with Vibly if you need a BAA, two-way HubSpot sync or an operations portal that assigns clients across many coaches and reports to sponsors. It is built for that work, and none of the tools here match all three.

If you are a coach selling programs to individuals, choose Coachful. It replaces the website builder, email platform, course host, community app, scheduler and payment pages with one login and one branded client app, and the white-glove build removes most of the setup work. Simply.Coach is the best middle ground for sponsor-funded coaching, Practice Better for wellness practitioners who chart, AttractWell for audience-heavy marketers, Quenza for worksheet-led work, Coaches Console for coaches who want a long-running system, and Coach Recap for the first three clients. For more comparisons, browse our comparison hub or Coachful alternatives, which covers the other side of the argument.

Frequently asked questions about Vibly alternatives

What is the best Vibly alternative for a solo coach?

For a solo coach who sells programs, Coachful is our pick because it covers booking, payments, contracts, programs, courses, community, website and email in one login. If you only have a few clients and sell single sessions, Coach Recap's free Starter plan is a lean place to begin.

Is there a Vibly alternative that signs a HIPAA BAA?

Vibly itself offers HIPAA compliance with a BAA. Coachful is not HIPAA-certified and does not sign one, and the vendor material we hold for the other tools here does not confirm a BAA. If you need one, ask each vendor directly and get it in writing before moving any records.

Does Coachful integrate with HubSpot like Vibly?

No. Coachful has no HubSpot or Salesforce integration; it connects to Zapier, Stripe, Razorpay, calendars, Zoom, Meet, Teams, Meta Pixel and GA4. Its own client records, lead lists and email sequences replace a separate CRM for most small practices.

Which alternative is closest to Vibly for corporate coaching?

Simply.Coach is the closest on this list. Its Surge business plan includes program managers and sponsor roles, priced per active coach at $159/month as listed in October 2026.

How much does Vibly cost?

As listed in October 2026, Vibly Basic is $25/month and Pro is $59/month for solo coaches, Teams is $149/month for 2 seats plus $50 per extra seat, and Enterprise is custom. Vibly offers a 14-day trial and takes no fee on client payments beyond Stripe's.

Do Vibly's clients get a mobile app?

Vibly's client portal runs in the browser, and no native mobile app is mentioned on its site. Coachful clients use the Coachful app with their coach's branding.

What is Coachful's free white-glove service?

It is a done-for-you build included on every plan. You describe what you want (a website, funnel, program, course outline, email sequence and more), attach links and files, and the Coachful team builds it in your account, usually within about 24 hours, without inventing testimonials, credentials or prices.

Can I move my clients from Vibly to Coachful?

Yes, for coaching material. Export what you can from Vibly, then Coachful imports your clients, programs and content during onboarding. Keep any HIPAA-covered records in a system that signs a BAA.

Is coaching software suitable for clinical work?

Not usually. Coaching is not treatment, and most coaching platforms, Coachful included, are not built for clinical records or insurance billing. Refer clients who need diagnosis or therapy to a licensed professional.

Can a small coaching team use Coachful instead of Vibly Teams?

Yes, if you do not need a BAA or HubSpot. Coachful's Studio and Agency plans add coach seats with per-coach availability, staff permissions and round-robin or least-busy assignment for shared session types.
