The 12 Best AI Tools for Career Coaches, Compared

The best AI tools for career coaches take work off the hours around a session: turning intake answers into a job-search plan, summarizing a call into next steps, giving clients interview practice between meetings, and keeping every resume draft, application target and deadline where you can see it. Finding a chatbot that writes cover letters is easy. The real question is which tools cover the whole client journey, from the first LinkedIn post that brings someone in to the offer they accept, without six logins and six invoices.
Our pick is Coachful, because it puts an AI assistant inside the same account that runs your booking, payments, agreements, multi-week programs, courses, community and website, so the AI works from what is actually happening with each client. We make Coachful, so weigh that, and read the other eleven entries with care: some of them, especially the interview and resume tools, do a narrow job well and sit comfortably next to any platform. Everything below about other vendors comes from their pricing pages and public documentation, not from hands-on testing.
If you want the broader picture first, our guide to the best AI tools for coaches covers the category across every niche, and best software for career coaches covers the non-AI side of a career practice.
What does a career coaching client journey need from AI?
It needs help at four stages, and the help looks different at each one. Career clients arrive with a deadline (a layoff, a visa clock, a bad manager), they want visible progress every week, and they tend to leave the moment they sign an offer. AI is useful when it keeps that momentum visible to you and to them.
Attract: content that proves you understand hiring
Career coaches win clients with specific, practical content: a "five resume lines recruiters skip" checklist, a salary negotiation webinar, a LinkedIn headline teardown. AI helps you draft these faster, but the content needs a home: a website, a lead-magnet page that collects emails, and a follow-up sequence that turns a download into a discovery call. If your AI writes a great checklist and you then paste it into three other tools to publish it, you have saved little.
Enroll: a discovery call that already knows the situation
Before a first call you want the current role, the target role, the timeline, the salary range and what has already been tried. Intake questions on the booking page capture that. An AI that reads those answers and briefs you before the call means you spend the first ten minutes coaching rather than collecting facts. Then the agreement, the payment (often a payment plan for someone between jobs) and the welcome sequence need to happen without you chasing them. Our piece on AI intake triage that keeps follow-up human goes deeper on where to draw the line.
Deliver: weekly momentum between sessions
This is where career coaching is unusual. The work happens between calls: applications sent, networking conversations booked, a resume rewritten for a new target, STAR stories rehearsed. Clients need a weekly plan, small daily tasks and a way to report back. You need session summaries, a record of what changed, and a quick read on who has gone quiet. Interview practice is the one task where a specialist AI tool can add real repetition that you cannot provide live.
Retain: the first 90 days and the next search
A signed offer is the end of most engagements, and that is a waste. A short "first 90 days in the new role" program, an alumni community and a referral ask keep the relationship alive until the next promotion or the next search. AI helps by flagging finished clients and drafting the check-in, but only if it can see who finished.
Which tool covers which stage?
The table maps each of the twelve tools to the four stages, with the entry price as listed in October 2026.
Ranking criteria: one login for the whole client journey, how much the AI helps between sessions, total stack cost at a realistic client count, and setup effort (including whether someone will build it for you).

How did we choose and rank these twelve?
We started from what a career coach actually does in a week and asked which tools remove a step, not which have the longest AI feature list. Three kinds of tool made the cut: all-in-one coaching platforms, coaching admin tools you would pair with a separate AI assistant, and specialist AI tools for job seekers (interview practice, resume building, resume matching, transcription, general drafting).
Specialist tools rank high because they fit the niche and work alongside any platform. Direct coaching-platform alternatives sit in the middle: they cover more of the journey than a resume tool but do less with AI than Coachful does. Course and marketing platforms rank last because a career coach would be building a coaching practice on top of something designed for selling content or running an agency.
Prices are as listed on each vendor's pricing page in October 2026. For Yoodli we read the pricing page on 25 October 2026. Teal and Jobscan blocked our automated check that day, and we did not check ChatGPT or Otter.ai for this article, so we say "not verified" rather than guess. Check those four yourself before you budget. Profile-only details (marked "September 2026") come from older vendor profiles and may have changed.
1. Coachful: AI that knows each client because it runs the practice

Coachful is a coaching platform where one subscription covers booking, payments, agreements, multi-week programs with habits and check-ins, courses, a community, a website with funnels and email, and a built-in AI assistant called Michelle. You get one login; each client gets one app with your branding. For a career coach, that means the AI drafting your lead magnet, the booking page collecting intake answers and the program tracking weekly applications all live in the same place, so nothing has to be copied between tools.

Michelle, working from live practice data. Michelle builds programs, drafts emails and content, summarizes recorded sessions and briefs you before each session using the client's goals, check-ins, notes and intake answers. Ask it to turn a discovery call into a 12-week job-search program and it drafts the weekly goals and daily tasks for you to edit. Before a mock-interview session it can tell you, for example, that the client logged three applications this week, skipped two evening check-ins and wrote that the hiring manager screen went badly. There is also optional private feedback on your own coaching, measured against ICF Core Competencies 3 to 8. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits.
An AI Coach for the hours between calls. You can configure an AI version of yourself that selected clients chat with between sessions. For a career client, that might mean rehearsing an answer to "tell me about a time you failed" at 10 p.m. the night before an interview, in your framing rather than a generic chatbot's. You decide who gets access and how it is set up. The walkthrough below shows the configuration:
Enrollment without chasing. Booking pages support availability rules, buffers, minimum notice and time-zone detection (useful for international job seekers and relocations), two-way calendar sync with Google, Apple/iCloud and Outlook, and built-in video or auto-created Zoom, Meet and Teams links. Intake questions on the booking page feed Michelle's brief. Coaching agreements with e-signature go out before the first call and are stored on the client record. Payments run through your own Stripe Connect or Razorpay account, with payment plans, subscriptions, coupons and session credits, and a 0% Coachful platform fee since August 2026 (only Stripe or Razorpay processing applies).

Delivery that shows weekly momentum. Programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. A job-search sprint maps neatly: week one is target roles and a positioning statement, week three is the LinkedIn rewrite, a daily habit tracks applications or outreach messages. Courses with modules, drip and completion tracking handle the material you repeat for every client, such as interview frameworks or salary research. Each client's status shows as thriving, active, quiet or at risk, so you notice the person who stopped checking in after a rejection.

Retention and credentials. The community feed, group chat and video events give you an alumni space, and cohort groups are created automatically when clients enroll in a group program. Email sequences with triggers, delays and branching handle the "how are your first 30 days going?" message. If you are working toward an ICF credential, Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. More on that on our ICF hour tracking page.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you · FREE", describe what you want (a website, a lead-magnet funnel, a sales page for a career change program, an email sequence, a program outline), attach up to 8 reference links and up to 10 files such as your logo, headshots and existing copy, and the Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. One leadership coach with a Squarespace renewal days away got a single clean homepage with a repeated "talk with me" button; a business mentor got a 12-week mentorship sales page, a free start-up guide funnel and rewritten follow-up emails. Read more about the free white-glove service.

What it does not do. Coachful is not a resume builder, an ATS keyword scanner or a dedicated interview-roleplay simulator, so many career coaches pair it with one of the specialist tools below. It has no PayPal, no permanent free plan, no Salesforce or HubSpot integration, and no routing forms that pick a host from form answers. The client app ships under the Coachful listing with your branding, not under your own App Store account. It is not HIPAA-certified, which matters only if you also do clinical work.
Price. Flat monthly plans; lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats. Current plans: (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). There is a free trial, and monthly plans cancel in one click. See the Coachful page for career coaches for niche templates.
2. Yoodli: interview reps your clients can do on their own
Yoodli is an AI roleplay and speaking coach. Clients practise live with an AI interviewer or upload a recording and get feedback on delivery. For career coaches it fills the one gap no platform covers well: volume. You can run one mock interview per session; a client can run ten on Yoodli before the real panel.
Its pricing page, read on 25 October 2026, lists four plans. Starter is free with 5 lifetime sessions. Pro is $8/month billed annually and allows up to 10 roleplays per week, with live AI roleplays, feedback on uploaded recordings and community access. Advanced is $20/month billed annually with unlimited roleplays, adds exclusion of your data from AI training, and is described as eligible for reimbursement as a professional development benefit. Business and Enterprise are priced per seat through sales and add custom roleplays, custom rubrics, Yoodli Coach for every learner, dashboards, SSO and SOC 2 Type 2. Monthly prices for Pro and Advanced are not listed.
The practical setup for a solo career coach is simple: ask clients to buy Pro or Advanced themselves, tell them which roleplay to run before each session, and review the feedback together. The data exclusion on Advanced is worth pointing out to clients who rehearse with real company names and salary figures.
Limits are clear. Yoodli does not book, bill, track applications or hold your notes, and the custom roleplays a coach would want to design (your own rubric, your client's target role) sit on the sales-led Business plan. There is no coach-specific plan on the pricing page.
Pick it over Coachful if you coach interview performance only, clients come through an employer's learning budget, and you need custom rubrics and team dashboards more than a practice platform. For most solo coaches it is an add-on, not a replacement.
3. Teal: a resume builder and job tracker for the client's side of the work
Teal presents itself as a job-seeker tool built around a resume builder and a job application tracker, with AI help for writing and tailoring resume content. Career coaches use tools like it to give clients a structured place to store target roles, tailor a resume per application and see their pipeline in one list, instead of a messy spreadsheet.
For a coach, the value is in the review loop. A client tailors a resume for a role, you review it in session, and their tracker shows how many applications went out and where each one stands. That pairs well with a weekly program goal ("send eight tailored applications") in a coaching platform: the tracker holds the evidence, the program holds the commitment.
We could not verify Teal's price: its pricing page blocked our automated check on 25 October 2026. Look at the current plans on its site before recommending a paid tier to clients, and be clear about who pays. Most coaches have the client hold their own account so the resume history stays with them after the engagement.
The limits for a coaching practice are structural. Teal is designed for the job seeker, not the coach: it is not built for booking, payments, agreements, group programs or session notes, and you cannot see a roster of all your clients in one coach dashboard unless the vendor documents a coach plan, which we did not confirm. Resume content also contains personal data, so read its privacy terms before asking clients to upload.
Pick it over Coachful if you only need a resume and application tracker and your clients already handle scheduling and payment with you some other way. In practice it sits next to a coaching platform rather than replacing one.
4. Jobscan: checking a resume against the job description
Jobscan compares a resume against a specific job posting and reports how closely the keywords and skills match, which is useful because many employers screen applications through an applicant tracking system before a person reads them. Career coaches use it as a second opinion on a tailored resume and as a teaching tool: showing a client why a generic resume underperforms is more convincing with a match report on screen.
We could not verify Jobscan's price. Its pricing page returned a bot challenge to our check on 25 October 2026, so confirm plan details and any free scan allowance on its site before you build it into a package.
Use it with judgment. A high keyword match does not make a resume good, and coaching a client to stuff keywords can make it read worse to the human who eventually sees it. The better routine is to treat the match report as a checklist of skills the posting emphasizes, then decide with the client which ones they can honestly evidence.
Jobscan does nothing for the business side of a career practice. There is no booking, no payment, no client program and no place for session notes, so the results end up pasted into whatever you use to coach. If you include resume work in a package, note in your agreement that a match score is a guide, not a guarantee of interviews.
Pick it over Coachful if your offer is a one-off resume review service with no ongoing coaching, delivered by email. For an ongoing coaching relationship, it is a tool you open during the resume weeks of a program.
5. ChatGPT: a general drafting partner, with care over client data
ChatGPT, from OpenAI, is the general-purpose AI assistant most career coaches already have open in a browser tab. It is good at first drafts: a LinkedIn post on negotiating a counteroffer, alternative phrasings of an achievement bullet, a list of likely interview questions for a product manager role, or a rough outline for a webinar.
We did not verify ChatGPT's plans or prices for this article. Check the current options on OpenAI's site, including any business or team tier if you want stronger data controls.
The main limit for coaches is context. A general chatbot only knows what you paste into it, so each prompt starts from zero unless you re-explain the client, and every time you paste a resume or session notes you are moving client personal data into another service. Before you do that, check the data settings, tell clients in your agreement that you use AI tools, and get their consent. Our guide to AI session notes and client consent has wording you can adapt.
The second limit is that its output has nowhere to go. A great program outline from ChatGPT still has to be rebuilt as a program, a great email still has to be pasted into an email tool, and a great checklist still needs a landing page. That copy-and-paste step is exactly what an assistant inside your practice removes.
Pick it over Coachful if you only want occasional drafting help, already run your practice on tools you are happy with, and are disciplined about keeping identifiable client data out of it. Many coaches keep a general assistant for open-ended thinking and use Coachful's Michelle for anything client-specific.
6. Paperbell: one flat price for solo coaching admin

Paperbell is an all-in-one admin tool for solo coaches. Its pricing page lists a single plan at $97/month, or $970 billed yearly ($80.83/month), with unlimited clients, sessions, files, packages and traffic. It includes a simple coaching website, scheduling, payments and packages, a client portal, contracts, email workflows, forms, group coaching, video call integration, notes, digital downloads and online classes, with custom branding. There are no add-ons, and it states no additional transaction fees beyond Stripe or PayPal processing.
For a career coach, Paperbell handles the enroll stage tidily: a package such as "6 sessions plus resume review" can be booked, signed and paid in one flow. The 30-day money-back guarantee lowers the risk of trying it. The pricing page has a "Try For Free" button but does not state the trial length.
The gaps sit in delivery and AI. AI features are not among the features its pricing page lists, so drafting and session summaries would come from a separate tool. Its older profile (September 2026) notes no courses or full learning system, no community and no goal or habit tracking, which means no weekly application habit or check-in for a job seeker, and no native mobile app. Trustpilot showed 3.5 from 14 reviews on 25 October 2026.
That makes it a fair choice for a coach whose career work is mostly session-based: a few calls, a resume pass, done. Coaches who run structured multi-week sprints or groups will feel the missing program layer.
Pick it over Coachful if you want one fixed price with no client caps, PayPal matters to your clients, and your coaching is session-led without programs, habits or a community.
7. CoachVantage: admin-first practice management with unlimited clients

CoachVantage covers CRM, scheduling, contracts with e-signature, invoices, a client portal, group programs and small courses. Plans are priced per coach with unlimited contacts and engagements, which suits a career coach with many short engagements.
As listed in October 2026, Clarity is $39/month ($35/month annual) and includes 2 group programs, 2 sales pages, 2 booking pages, 4 e-signatures a month, 2 contract templates, 2 courses and 500 MB of storage. Aha! is $59/month ($53/month annual) with unlimited group programs (with cohorts), sales pages, booking pages and e-signatures, plus 5 contract templates, 5 courses and 1 GB. There is a 14-day trial with no credit card, and the vendor states no commission on revenue; Stripe or PayPal fees apply.
The Clarity caps bite quickly in career coaching: four e-signatures a month is fewer than a busy month of new clients, and two booking pages leaves little room for separate discovery, resume review and interview prep sessions. Older profile notes (September 2026) say there are no team or multi-coach features and that public reviewers find its built-in video (CVMeet) weak, so many users still run Zoom. AI is not part of the plan details we have, so drafting and summaries would come from another tool.
Pick it over Coachful if you mainly need contracts, invoices and a portal at a low per-coach price, you take PayPal, and you are comfortable adding a separate AI assistant and website.
8. Simply.Coach: structured coaching programs with tiered caps

Simply.Coach is a coaching practice platform with contracts, programs, sessions, booking pages, a client portal and business tiers for coaching companies. Its program structure suits career coaches who sell a defined engagement, such as a 10-session executive transition.
The solo tiers, as listed in October 2026: Starter $9/month for 3 active coachees, 1 contract, 1 program and 1 calendar; Essentials $29/month ($24.17/month annual) for 7 coachees and 3 contracts and programs; Growth $49/month for 30 coachees, 10 contracts and programs and 3 calendars; Leap $69/month for unlimited coachees, contracts and programs. Business tiers are per active coach: CoCreate $79/month (10 clients per coach) and Surge $159/month (25 clients per coach, with program managers and sponsors). The trial is 14 days with no credit card. Transaction fees are not stated on the pricing pages.
The caps are the thing to plan around. Program and contract limits apply on every solo tier below Leap, so a coach who offers separate resume, interview and career-change programs hits them early. The solo pricing page marks automated invoices as "Coming Soon", and there are no refunds for mid-period cancellations. The sponsor roles on Surge are useful if employers pay for outplacement coaching. There is no website builder or funnel in its listing, so attract-stage AI and pages come from elsewhere.
Pick it over Coachful if you coach mostly for corporate sponsors (outplacement, internal mobility) and want sponsor and program manager roles more than marketing pages and between-session habits.
9. Practice Better: a practitioner tool that fits wellness better than careers

Practice Better is practice management built for wellness and nutrition practitioners: scheduling, telehealth, charting, billing, programs and a client portal. Some career coaches use it because of the free tier, but much of the product is shaped around clinical-style workflows that career coaching does not need.
Plans as listed in October 2026: Sprout is $0/month for 3 clients and 100 MB; Starter $35/month ($25/month annual) for 10 clients; Professional $69/month ($59/month annual) for 300 clients; Plus $99/month ($89/month annual) for unlimited clients and 3 admins; Team $155/month ($145/month annual) for 2 practitioners, up to 200 at +$50 each. Trials run 30 days on Team and 14 days on other paid plans, with no contracts. Payments go through Practice Better Payments, powered by Stripe; rates are not listed.
For a career coach, the important limits are where features sit. Evergreen programs, portal branding, a custom URL and SMS start on Plus at $99/month. Its older profile (September 2026) notes no website builder or funnel pages, so the attract stage lives elsewhere, and accounts below Team have one practitioner. Trustpilot showed 3.8 from 87 reviews on 25 October 2026.
Pick it over Coachful if you also run a wellness or nutrition practice that needs charting and telehealth, and career coaching is a side offer inside it.
10. Otter.ai: transcripts and summaries for the calls you record
Otter.ai is an AI note-taker that transcribes meetings and produces summaries, and it can join video calls on common meeting platforms. Career coaches use tools like it so they can stay present in a session instead of typing, then pull out the action items: three companies to research, a recruiter to message, a story to rewrite.
We did not verify Otter.ai's plans or prices for this article. Check its pricing page for transcription minute limits and which plans include calendar-connected meeting joining.
Two cautions. First, recording a coaching session needs the client's informed consent every time, and a bot joining the call is visible, so explain it in your agreement and at the start of the session. Second, a transcript in a separate tool is one more place for client data, and the summary still has to be copied into wherever you keep notes and tasks. Coachful's Michelle summarizes recorded sessions inside the client record, which removes that copy step; see our roundup of coaching platforms with session recording and AI summaries for more options.
Otter is a sensible choice if you coach on a platform with no AI layer and want better notes without switching systems. It does nothing for booking, payment or between-session work.
Pick it over Coachful if you are staying on a non-AI admin tool and want the lightest possible way to add session transcripts.
11. Kajabi: strong for courses and content, thin for one-to-one career work

Kajabi is a course, community, website, funnel and email platform for selling knowledge products. Career coaches with a large audience use it to sell a self-paced job search course or a salary negotiation masterclass at volume.
As listed in October 2026: Basic is $179/month ($143/month annual) with 5 products, 2,500 contacts, 1 community, 1 website, 2 admin users and 0 AI credits; Growth is $249/month ($199/month annual) with 50 products, 25,000 contacts and 500 AI credits; Pro is $499/month ($399/month annual) with unlimited products, 100,000 contacts, 3 communities and 1,000 AI credits. The trial is 14 days. Kajabi Payments in the US charges 2.9% + $0.30 on Basic, falling to 2.7% + $0.30 on Pro; using another processor (excluding PayPal) adds a Kajabi fee of 2%, 1% or 0.5% depending on the plan.
The fit problem is that coaching in Kajabi is a product or a community, not a per-client plan. There are no habit tracking or daily check-ins, so the weekly application and outreach rhythm that career clients need has to be simulated. Basic includes no AI credits at all. Trustpilot showed 3.4 from 2,347 reviews on 25 October 2026. If you are weighing it, our guide to the course platform for coaches compares the course side directly.
Pick it over Coachful if your business is mainly selling a course to thousands of job seekers and one-to-one coaching is a small upsell.
12. GoHighLevel: agency marketing machinery, metered AI

GoHighLevel (HighLevel) is an agency-first marketing CRM: funnels, websites, calendars, SMS and email, invoicing, contracts, courses and communities, organized around sub-accounts. Career coaches who also run a recruiting or outplacement agency sometimes use it for heavy lead follow-up.
As listed in October 2026: Starter is $97/month ($80.83/month annual) with 3 sub-accounts and unlimited users and contacts; Unlimited is $297/month ($247.50/month annual); Agency Pro is $497/month ($414.17/month annual); Enterprise is custom. The 14-day trial starts billing automatically at the end unless cancelled. There is no platform fee on sales, but SMS, email, phone numbers and AI usage are metered and billed separately, at rates published on separate guides rather than the pricing page.
For career coaching delivery it is the wrong shape. There is no habit tracking, no client check-ins and no structured coaching program or task engine, so a job-search sprint would have to be built from workflows and forms. There are no built-in video rooms, only Zoom and Google Meet links. The metered AI also makes monthly cost harder to predict. Trustpilot showed 4.9 from 15,250 reviews on 25 October 2026, which reflects its strength as a marketing tool. Our GoHighLevel alternatives for coaches guide covers the switch in detail.
Pick it over Coachful if you run a multi-client marketing agency alongside your coaching and need sub-accounts, high-volume SMS and a sales pipeline more than client programs.
How do the features compare side by side?
"Not listed" means the feature does not appear in the vendor data we checked, not that it definitely does not exist.

Should you buy an all-in-one stack or assemble one?
For most career coaches, one platform plus one optional specialist tool is cheaper and simpler than four general tools glued together. Here are three realistic stacks, using October 2026 list prices. The 15-client figure is an example size, not a recommendation.
| Stack | What is in it | Monthly cost at 15 clients | Logins |
|---|---|---|---|
| Coachful (all-in-one) | Website, funnels, email, booking, agreements, payments, programs, courses, community, Michelle, AI Coach | Solo: $49/month for up to 20 clients | 1, plus an optional client-paid interview practice tool |
| Admin tool plus AI add-ons | Paperbell for booking and payments, a general AI assistant for drafting, a note-taker for summaries | $97 plus two unverified AI subscriptions | 3 |
| Course platform plus admin tool | Kajabi Basic for site, email and course; CoachVantage Aha! for contracts and booking | $179 + $59 = $238, with 0 Kajabi AI credits | 2, plus any AI tool |
| Budget assembled | Simply.Coach Growth for programs, a separate website builder and email tool, a general AI assistant | $49 plus website, email and AI subscriptions | 4 |
The hidden cost in the assembled stacks is not the subscription total. It is the time you spend moving a client's intake answers into a chatbot, the chatbot's output into a program, and the program's progress back into your notes. Every hand-off is also another place where client data lives, which matters when clients share salary history, visa status or the reason they left their last job.
The all-in-one route also helps the client. A job seeker juggling a tracker, a resume tool and a practice app does not want a fourth login for coaching. One branded app with this week's tasks, the next session and their documents is easier to keep up with on a bad week. For pricing your packages, see how much career coaches charge.
How does a career coach set this up in Coachful?
This is an example setup for a solo coach launching a 12-week job-search program. Adjust the names and numbers to your own offer.

- Request the build. From Create, use the free white-glove service to ask for a five-page site and a lead-magnet funnel offering a resume red flags checklist. Attach your headshot, your logo and a couple of sites you like. Leave testimonials blank until you have real ones.
- Set up the discovery call. Create a booking page with a 15-minute buffer and 24 hours' minimum notice. Add intake questions: current role, target role, timeline, salary range, and what has not worked so far.
- Attach the agreement and payment. Write a coaching agreement that states scope (more below), attach it for e-signature before the first call, and offer the program as a one-time payment or a three-part payment plan through your Stripe account.
- Ask Michelle for the program draft. Describe the 12 weeks: positioning, resume and LinkedIn, networking, applications, interviews, negotiation. Review the weekly goals and daily tasks it drafts, then add a daily habit such as "two outreach messages" and a weekly check-in asking how many applications went out and what felt hardest.
- Add a short interview course. Start from one of the 48 course templates and turn your interview framework into modules, dripped to open in week 8.
- Configure AI Coach for selected clients. Enable it for clients in the interview phase so they can rehearse answers between sessions, and tell them clearly what it is and is not.
- Record with consent. With the client's agreement, record sessions and let Michelle summarize them into the client record, then confirm the action items together.
- Plan the after-offer stage. Create a short "first 90 days" program and an alumni group in the community, and set an email sequence to check in at 30 and 90 days.
- Log your hours. If you are pursuing an ICF credential, check that sessions count toward your hours and export the coaching log when you apply.
Two scope points belong in the agreement. Career coaching is not therapy: if a client is dealing with burnout, depression or anxiety that is affecting daily life, refer them to a licensed mental health professional. And you are not giving legal advice: questions about severance terms, non-compete clauses or employment disputes should go to an employment attorney.

What should you know before migrating from your current tools?
Switching in the middle of an active client's job search is the main risk, so plan the move around your clients' calendars, not yours.
- Finish or transfer active contracts first. Keep your old tool running until current engagements end or until each client has signed a new agreement in the new system. A job seeker two weeks from a final interview does not need a new login.
- Export before you cancel. Pull your client list, notes, files and payment history from the old tool. Where a tool's export is limited, save session notes manually for any client still active.
- Use the onboarding import. Coachful imports your clients, programs and content for you during onboarding, so send what you exported rather than rebuilding by hand.
- Move recurring payments carefully. Subscriptions set up in an old tool usually do not carry over by themselves. Tell clients in advance, and start new billing only after the old one is cancelled.
- Re-point your links. Update your LinkedIn featured links, email signature and any lead magnets so new prospects land on the new booking page.
- Keep AI tools on the client side. If clients already use a resume builder or interview practice tool, keep it. Those accounts belong to the client and fit into any platform.
- Know your exit. Coachful gives you a full client data export as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses) plus course export, so you are not locked in.
What is the verdict?
For a career coach who runs ongoing engagements, Coachful is the strongest choice among these twelve because its AI works inside the practice: it reads intake answers, briefs you before sessions, drafts programs and emails, summarizes recorded calls and gives selected clients an AI Coach between sessions, all in the same account as your booking, payments, programs and website.
Coachful is a coaching platform for coaches who deliver programs rather than just sessions, from solo coaches to small teams, and for anyone replacing four to six separate tools. It does not build resumes, scan them against job descriptions or run interview roleplays, it has no PayPal or permanent free plan, and it is not HIPAA-certified. To start, take the free trial and ask the team to build your website, funnel or first program for you through the free white-glove service.
Add Yoodli if your clients want interview repetitions, and let clients keep a resume tool such as Teal or Jobscan if they already use one. Choose Paperbell if you want one flat price for session-led coaching, Simply.Coach if corporate sponsors pay for your work, and Kajabi or GoHighLevel only if selling courses or running an agency is the bigger part of your business. Frequently asked questions
What are the best AI tools for career coaches?
Coachful is our top pick because its AI assistant works across booking, programs, session summaries and client check-ins in one account. Yoodli is the strongest add-on for interview practice, and resume tools such as Teal and Jobscan help on the client side. The right mix depends on whether you run ongoing programs or one-off resume reviews.
Can AI replace a career coach?
No. AI can draft a resume bullet, generate practice questions and summarize a session, but it does not know a client's confidence, their family constraints or what a hiring manager in their industry really values. The tools here save prep and admin time so you can spend more of each session coaching.
Is it safe to put client resumes into AI tools?
Resumes and session notes are personal data, so tell clients in your agreement which AI tools you use and get their consent. Check each tool's data settings; Yoodli, for example, lists exclusion of your data from AI training on its Advanced plan. Keeping AI inside your coaching platform also reduces the number of places client data ends up.
Do career coaches need a separate interview practice tool?
Not always. If you run mock interviews live and clients only need a few, your sessions are enough. If clients face multiple rounds and want daily practice, a tool like Yoodli adds repetitions you cannot provide, and its Pro plan is $8/month billed annually as listed in October 2026.
What is Coachful's free white-glove service?
The Coachful team builds things for you inside your own account, such as a website, a lead-magnet funnel, a sales page, a program outline or an email sequence, usually within about 24 hours. You describe what you want and attach up to 8 links and 10 files. It is free on every plan, and nothing is invented, so gaps like testimonials are left for you to fill.
Which AI tool helps with ICF credential hours?
Coachful counts your coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. Michelle can also give optional private feedback on your coaching against ICF Core Competencies 3 to 8.
Should a new career coach start with a free tool?
A free tier like Practice Better's Sprout (3 clients) can help you test the basics, but you will outgrow it quickly and then face a migration. Many new coaches do better starting on a platform they can grow into, using a free trial to check the fit first. Our guide to a free website for career coaches covers the marketing side on a budget.
How should AI session summaries be handled with clients?
Ask for consent before recording, explain what the summary is used for, and review the action items together at the end of the session or at the start of the next one. A summary is a starting point for notes, not a replacement for your judgment about what mattered.
Is career coaching the same as career counselling?
Not quite. Coaching focuses on goals, job search strategy and performance, while counselling may involve assessment and support for mental health concerns. If a client's stress, anxiety or depression is affecting daily life, refer them to a licensed professional, and send legal questions about contracts or severance to an employment attorney.
