Best CRM UK in 2026 (7 Compared)

The best CRM UK service businesses can choose in 2026 depends on one question: does the tool only remember who your clients are, or does it also run the work you do with them? A plumber or an estate agent mostly needs the first. A coach, consultant, therapist-adjacent practitioner or trainer selling packages from a .co.uk site needs the second, because the client relationship is the product. This guide compares seven CRMs through that lens, organised around the four stages every UK service business moves clients through: attract, enrol, deliver and retain.
Our pick for coaches and other programme-based service businesses is Coachful, because it covers all four stages with one login and one branded client app, while the other six cover one or two stages well and leave you to assemble the rest. We make Coachful, so we say that up front, and we have kept every other tool's facts to what its own pages list. HubSpot is the strongest option if you want a classic sales CRM at no cost, and Dubsado suits paperwork-heavy studios. Prices below are quoted in US dollars because that is how the vendors listed them in October 2026, unless we say otherwise.
What does a UK service business actually need from a CRM?
It needs a CRM that follows the client from first enquiry to renewal, and that copes with UK specifics: payments in pounds, VAT on invoices once you pass the threshold, and personal data handled under UK GDPR. Most "best CRM" lists are written for sales teams tracking deals. A coaching or consulting practice has a different shape, with fewer leads, longer relationships and a lot of work between meetings.
Three UK rules shape the buying decision before you compare a single feature:
- VAT. You must register for VAT once your VAT-taxable turnover goes over £90,000 in a rolling 12 months, according to GOV.UK's guidance on when to register. The standard rate is 20% (GOV.UK VAT rates). A CRM that issues invoices should be able to show VAT correctly before you need it, not after.
- UK GDPR. Session notes, intake answers and goals are personal data, and anything about health is special category data that needs an extra lawful condition (ICO guidance on special category data). Your CRM should let you export or delete a client's record on request.
- The ICO data protection fee. Most UK businesses that process personal data electronically must pay the ICO data protection fee unless they are exempt. Choosing a CRM does not change that obligation, but it is a good moment to check you have paid it.
None of this is legal or tax advice. Thresholds and rules change, so check GOV.UK and the ICO directly, and talk to an accountant about how VAT applies to your services. If you are still setting up the business itself, our guide on how to start a coaching business in the UK covers registration step by step.
How does the client journey break into stages?
Every service business we looked at moves clients through four stages, and each stage asks something different of a CRM. Mapping your own week against these stages is the quickest way to see which tool fits.
Attract: getting found and capturing enquiries
A UK coach typically gets enquiries from a .co.uk website, LinkedIn, Instagram, referrals and talks. The CRM's job here is to catch every lead in one list, tag where it came from, and send a lead magnet or a first email automatically. Tools that lack a website or forms push you towards a separate site builder and a Zapier connection, which is where enquiries get lost.
Enrol: discovery call to signed client
This is the stage most CRMs are built for. A prospect books a free discovery call, answers intake questions, receives a proposal or offer, signs an agreement and pays. For a UK practice that means a booking page that respects GMT and BST, Stripe payments in pounds, an agreement with e-signature, and an invoice that can carry VAT later.
Deliver: the work between sessions
Here sales CRMs stop and coaching platforms start. Delivery means programmes over weeks, homework, habit tracking, check-ins, courses, group calls and a place for clients to see their progress. A consultant may need only documents and actions; a wellbeing coach may need daily check-ins. If your CRM cannot hold this, you will run it in email, Google Drive and WhatsApp, which also scatters personal data across systems you have to account for under UK GDPR.
Retain: renewals, referrals and the next programme
Retention needs signals: who has gone quiet, who is close to a goal, whose package ends next month. It also needs a way to offer the next step, such as a membership, a group programme or a VIP day, without rebuilding the client in another tool.
Which stages does each CRM cover?
This table maps each tool against the four stages, based on what each vendor documents. "Partial" means the stage is possible but needs another tool or a workaround.
| Tool | Attract | Enrol | Deliver | Retain |
|---|---|---|---|---|
| Coachful | Website, funnels, email sequences, Instagram automations, social planner | Booking, intake, e-signed agreements, Stripe payments | Programmes, habits, check-ins, courses, community, branded app | Client status (thriving to at risk), bundles, cohorts |
| HubSpot | Forms, landing pages, email (branded on Free) | Meetings link, deals, payments on Starter and up | No | Email and lists |
| Dubsado | Lead forms only; no website or email marketing | Forms, contracts, invoices; scheduler on Premier | Partial (workflows and forms) | Partial (workflows) |
| Paperbell | Simple website | Booking, packages, contracts, payments | Partial (client portal, no courses or habits) | Partial |
| Practice Better | No website or funnels | Scheduling, billing | Programmes, charting, client portal | Partial |
| Bonsai | No | Proposals, contracts, invoices | Projects and time tracking, no client programmes | No |
| GoHighLevel | Funnels, websites, SMS and email | Calendars, invoicing, contracts | Partial (courses, communities; no habits or check-ins) | Partial (workflows) |
Which CRM is best in the UK at a glance?
Ranking criteria: one login for the whole client journey, delivery between sessions, total monthly stack cost, and setup effort (including whether someone will build it for you).
| Rank | Tool | Best for | Starting price (monthly billing) | Main limit |
|---|---|---|---|---|
| 1 | Coachful | Coaches and programme-based service businesses who want one system | Lite: $29/month for up to 5 clients | No PayPal; not for clinical records |
| 2 | HubSpot | Consultancies with a sales pipeline and a small team | $0 (Free tools); Starter $20 per seat standard | No client delivery; costs climb with seats and contacts |
| 3 | Dubsado | Studios and consultants with heavy paperwork workflows | $35 (Starter); $55 (Premier) | No website, email marketing or client programmes |
| 4 | Paperbell | Solo coaches who sell packages and want simple admin | $97 | No courses, community or habit tracking |
| 5 | Practice Better | Nutrition and wellness practitioners who chart | $0 (3 clients); $35 (10 clients) | No website or funnels; branding needs Plus |
| 6 | Bonsai | Freelance consultants billing projects and hours | $15 per user | Basic has no invoicing; no client delivery |
| 7 | GoHighLevel | Marketing agencies running many client accounts | $97 | Metered usage on top; no habits or check-ins |
How did we choose these seven?
We started from the tools UK coaches, consultants and wellness practitioners most often weigh up, then kept the ones that work for a business invoicing in pounds. We passed over tools whose built-in payments are documented as US-only, and we left out enterprise sales platforms that need an administrator to run.
For each tool we read the vendor's own pricing page and product documentation as listed in October 2026, and public review profiles where they had enough reviews to mean something. We did not run hands-on trials for this article, so where a limit comes from an older vendor profile we say so. Ratings and prices change; check the vendor's page before you buy.
The ranking favours tools that cover more of the client journey in one place, because every extra tool adds a login, a subscription, a data processor to list in your privacy notice and a place for a client to fall through the cracks.
1. Coachful: one system from enquiry to renewal

Coachful is a coaching platform with a CRM at its centre. One subscription covers booking, payments, coaching agreements, programme delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login; each client gets one branded app. It is built for coaches who deliver programmes rather than just sessions, solo practitioners growing into a small team, and anyone replacing four to six separate tools. The company is based in Tallinn, Estonia, and holds a Trustpilot score of 4.5 from 21 reviews.
How it handles attract and enrol
Leads from your website, funnels, lead magnets and Instagram land in one Prospects list with their source and stage. The section-based website builder includes a blog, custom domain (your .co.uk works), SEO settings and 30 designed homepage templates, and there is an Import website option if you already have one. Booking, application, lead-magnet and checkout funnels support pixels and UTM tracking, so you can see whether LinkedIn or a podcast guest spot actually produced clients.
On Instagram, a comment with a chosen keyword can trigger a DM with your booking link or lead magnet, and the person arrives in the same lead records. The social planner schedules posts to Instagram, Facebook, LinkedIn, X, Threads and YouTube from one calendar, which matters for UK consultants who rely on LinkedIn.

Booking pages handle availability rules, buffers, minimum notice and time-zone detection, so a client in Dubai booking a London coach sees the right slot. Calendars sync both ways with Google, Apple/iCloud and Outlook, and sessions get built-in video or auto-created Zoom, Meet or Teams links. Intake questions sit on the booking form. Before the first call, the client receives a coaching agreement to e-sign, and it is stored on their record.
Payments run through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay. Stripe Tax is supported, which helps once you are VAT-registered, and every transaction produces an invoice, with manual invoices available too. Coachful charges a 0% platform fee on sales; you pay only Stripe or Razorpay processing.

How it handles deliver and retain
This is the part sales CRMs skip. You can build multi-week programmes with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses with modules, drip and completion tracking, downloads, videos and events all appear in the client's branded home and app. Enrolling someone in a group programme creates a cohort group automatically, with a community feed, group chat and video events.

Each client record pulls goals, check-ins, habits, notes, intake answers, tags, payments and sessions together, with an AI briefing and a status of thriving, active, quiet or at risk. That status is your retention list: the "quiet" clients are the ones to call before renewal. Michelle, the built-in AI assistant, works from that live data to brief you before sessions, draft emails and summarise recorded sessions. If you are working towards an ICF credential, Coachful counts your hours and distinct clients against ACC, PCC and MCC thresholds and exports a client coaching log (see ICF hour tracking), which ties in with our guide to coaching qualifications in the UK.

Here is a short walkthrough of how leads and prospects move through Coachful:
UK data, limits and what it does not do
Coachful is GDPR-ready and lets you export a full client data ZIP (roster, notes, check-ins, goals, habits, sessions and form responses), which makes a subject access request or a move to another system straightforward. It is not HIPAA-certified and is not a clinical record system, so a practitioner who keeps treatment notes should keep those in a clinical tool. There is no PayPal, no permanent free plan, no Salesforce or HubSpot integration, and no multi-stage deal board for large sales teams. The client app ships under the Coachful listing with your branding rather than under your own App Store account.
Pricing is a flat monthly plan, with lower plans capping the number of clients and Pro covering unlimited clients; team plans add coach seats (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click, and there is a free trial.
Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you" and describe what you want: a website, a funnel, a sales page, a programme, a course outline, an email sequence, a form or something else. You can attach up to 8 reference links and up to 10 files, such as your logo, brand guide or existing copy. The Coachful team builds it inside your own account, usually within about 24 hours, and leaves gaps for you rather than inventing testimonials, credentials or prices. A leadership coach with a Squarespace renewal days away, for example, got one clean homepage with a repeated "talk with me" button. It does not cover recording videos, logo design or running ads. More detail is in our post on the free white-glove service.

Clients, programmes and content are also imported for you during onboarding, which removes most of the switching pain covered later in this guide.
2. HubSpot: the free sales CRM most UK firms start with

HubSpot is a general-purpose CRM and marketing suite, and its free tier is the reason so many UK small businesses try it first. As listed in October 2026, Free tools cover up to 2 users and 1,000 contacts with no time limit and no card, including contacts, companies, deals, tasks, email tracking, live chat, 2,000 email sends a month and up to 30 landing pages, all carrying HubSpot branding.
Where a consultancy gets value
For a B2B consultant or executive coach selling to companies, HubSpot's model of contacts, companies and deals fits well. You can track that a head of HR at a Leeds firm downloaded your leadership guide, log the call, move the deal through stages and see the pipeline value. The meetings scheduler gives one branded personal link on Free and up to 1,000 personal and team links on Starter. Payments can run through Stripe on all tiers, or through HubSpot Payments on Starter and up, which HubSpot lists as available in the UK. Quotes require Professional.
The price ladder
Starter (Customer Platform) is $20 per seat per month at the standard price, with a limited-time new-customer promotion showing $10 a month on monthly billing as listed in October 2026. It removes HubSpot branding and adds up to 15 pipelines. Professional is $100 per seat per month ($90 on annual billing) with a required one-time onboarding fee that the platform page does not price. HubSpot Payments carries a platform fee that is free for the first year and then 0.5% per transaction; using Stripe inside HubSpot adds a 0.75% HubSpot platform fee on top of Stripe's own rate.
Gaps for coaches
HubSpot stops at the signed deal. There are no programmes, habits, check-ins, courses, community or client app, so delivery happens somewhere else. Costs rise with each seat and each tier of marketing contacts. Public reviewers are unhappy on balance: HubSpot showed a Trustpilot score of 1.5 from 1,176 reviews in October 2026. If you work with coaches rather than as one, our CRM guide for sales coaches goes deeper on pipeline tools.
Pick it over Coachful if you sell high-value retainers to companies, need deal stages and company records for a small sales team, and already deliver your work in other tools you are happy with.
3. Dubsado: paperwork automation for studios and consultants

Dubsado is a client workflow CRM built around forms, contracts, invoices, a scheduler and automated workflows. It is popular with UK creative studios, photographers and consultants who send the same sequence of documents to every client and want it to run itself.
For a coaching or consulting practice, the appeal is the workflow engine: when someone books, send a questionnaire; when they sign, send the invoice; three days before the session, send a reminder. Proposals bundle a contract and an invoice so a client can accept, sign and pay in one go. That suits a consultant selling a fixed-scope project or a coach selling a three-month package with a deposit.
Pricing as listed in October 2026: Starter is $35 a month ($27.92 a month billed annually) with unlimited clients and projects but only 1 active lead-capture form, and no scheduler or automations. Premier is $55 a month ($43.75 annually) with unlimited lead forms, and it is the plan you need for scheduling and workflows. There is a 21-day trial with full Premier access and no card. Dubsado states no platform fee on payments; your processor's rates apply, and there is an optional surcharge setting.
Limits worth knowing. Dubsado says itself that it does not include website building and is not an email marketing platform, so you will need a separate site (see our best website builder UK guide) and a newsletter tool. The mobile app is a companion; full functionality needs the desktop web app. There are no courses, client community, habits or check-ins, so any programme content lives elsewhere.
Pick it over Coachful if your business is mostly one-off projects with a predictable document trail, you already have a website and newsletter you like, and you never deliver anything between sessions.
4. Paperbell: simple admin for solo coaches

Paperbell is the closest direct substitute on this list: an all-in-one admin tool for solo coaches with booking, packages, payments, contracts, a client portal and a simple website. It sells a single plan rather than tiers.
What it does well for a one-person UK practice
The appeal is simplicity. You create a package (for example six sessions over three months), attach a contract and payment terms, and share one link; the client books, signs and pays. As listed in October 2026, the plan is $97 a month ($80.83 a month billed annually) with unlimited clients, sessions, files, packages and traffic, and Paperbell says there are no additional transaction fees beyond Stripe or PayPal. There is a 30-day money-back guarantee. The trial length is not on the pricing page; an older help-centre profile describes a 7-day trial with the public site offline.
Where it runs out
According to its older profile, Paperbell has no courses, community, or goal and habit tracking, and no native mobile app, so clients use the mobile browser. A coach running a group programme or a membership would add other tools. At $97 a month in USD, it also costs more than several tiered tools at five clients. Our Paperbell alternatives page compares it in more depth. Paperbell held a Trustpilot score of 3.5 from 14 reviews in October 2026.
Pick it over Coachful if you only ever sell one-to-one packages, want the fewest possible settings, and need PayPal as a payment option.
5. Practice Better: practice management for wellness practitioners

Practice Better is practice management software for nutrition and wellness practitioners: scheduling, telehealth, charting, billing, programmes and a client portal. In the UK it fits nutritional therapists, dietitians in private practice and functional health practitioners who need structured clinical-style notes.
Its tiers scale by client count, as listed in October 2026. Sprout is free for 3 clients. Starter is $35 a month ($25 annually) for 10 clients. Professional is $69 a month ($59 annually) for 300 clients. Plus is $99 a month ($89 annually) for unlimited clients and 3 admins. Team is $155 a month ($145 annually) for 2 practitioners, with more at $50 each. There is a 30-day trial on Team and 14 days on other paid plans. Payments run through Practice Better Payments, powered by Stripe; rates are not listed on the pricing page.
The catch in the tiers
Evergreen programmes, portal branding, a custom URL and SMS only start on Plus, so a practitioner who wants a branded experience pays $99 a month in USD regardless of client numbers. There is no website builder or funnel pages, according to its older profile, so attracting clients happens on another platform. Below Team, an account has one practitioner. Practice Better held a Trustpilot score of 3.8 from 87 reviews in October 2026.
If you hold health information, remember it is special category data under UK GDPR; Practice Better's charting is designed for that kind of record, whereas Coachful is a coaching tool, not a clinical one. Our guide to the best CRM for holistic health coaches covers this scope line in more detail.
Pick it over Coachful if you keep clinical-style charts, offer telehealth consultations as a regulated or registered practitioner, and do not need a website or sales funnels in the same tool.
6. Bonsai: proposals, contracts and time tracking for consultants

Bonsai is business management software for freelancers and small agencies: proposals, contracts, invoices, time tracking and projects. A UK management consultant, copywriter or fractional marketer billing by the hour or by project will recognise the workflow immediately.
Day to day, you send a proposal, convert it to a contract, track hours against a project and invoice at month end. That is a good fit for consultants whose clients are companies and whose deliverable is a report or a project, not a behaviour change.
Every plan is priced per user, as listed in October 2026: Basic $15 a month ($9 annually), Essentials $25 ($19), Premium $39 ($29) and Elite $59 ($49), with Elite requiring at least 3 users. The Basic plan has no invoicing or payments, so most consultants will start on Essentials. There is a 7-day trial; you enter card details at the end if you have not already. Bonsai's payment fees are linked out to its help centre and we could not re-read them in October 2026, so check them before you commit.
What is missing for coaches: courses, community, client habits, check-ins and coaching programmes. A custom domain was marked as expected in 2026. Bonsai held a Trustpilot score of 4.3 from 641 reviews in October 2026.
Pick it over Coachful if you bill by the hour, need time tracking against projects, and your clients are businesses that want proposals and timesheets rather than a coaching app.
7. GoHighLevel: an agency marketing machine

GoHighLevel (also called HighLevel) is an agency-first marketing CRM with funnels, websites, calendars, SMS and email, invoicing, contracts, courses and communities, organised around sub-accounts. Marketing agencies in the UK use it to run campaigns for dozens of local businesses from one dashboard.
Why some coaches try it
It promises everything in one place for marketing: build a funnel, run an SMS and email nurture, book calls into a calendar and send an invoice. As listed in October 2026, Starter is $97 a month ($80.83 annually) with 3 sub-accounts and unlimited users and contacts; Unlimited is $297; Agency Pro is $497. There is a 14-day trial, and billing starts automatically at the end unless you cancel. Public reviewers rate it highly, with a Trustpilot score of 4.9 from 15,250 reviews in October 2026.
The trade-offs for a solo UK practice
SMS, email, phone and AI usage are metered and billed on top of the plan, with rates on separate pricing guides rather than the pricing page, so your real monthly cost is hard to predict. There is no habit tracking, client check-ins or structured coaching-programme engine; you would simulate them with workflows and forms. There are no built-in video rooms, only Zoom and Google Meet links. Setup is a project in itself, which is why many users hire someone to configure it.
Pick it over Coachful if you run a marketing agency or plan to resell software to other businesses under sub-accounts, and you have time or budget to configure it.
Which features does each CRM include?
The matrix below shows what each vendor documents for the features UK coaches and consultants ask about most.
| Tool | Booking | E-signed contracts | Payments | Website and funnels | Email sequences | Habits and check-ins | Courses and community | Client app |
|---|---|---|---|---|---|---|---|---|
| Coachful | Yes, two-way calendar sync | Yes | Own Stripe or Razorpay, 0% platform fee | Yes | Yes | Yes | Yes | Branded, inside the Coachful app |
| HubSpot | Meetings links | Not listed (quotes on Professional) | Stripe or HubSpot Payments, platform fee | Landing pages | Yes | No | No | No |
| Dubsado | Premier only | Yes | Processor rates, no Dubsado fee stated | No | No | No | No | Companion app |
| Paperbell | Yes | Yes | Stripe or PayPal | Simple site | Not listed | No | No | No (mobile browser) |
| Practice Better | Yes | Not listed | Stripe-powered | No | Not listed | Programmes; habits not listed | Not listed | Portal; branding on Plus |
| Bonsai | Not listed | Yes | Essentials and up | No | Not listed | No | No | No |
| GoHighLevel | Yes | Yes | Payment provider fees only | Yes | Yes (metered) | No | Yes | Not listed |
"Not listed" means we did not find it on the vendor's pricing page or profile, not that it is impossible.
What does each CRM cost at 5, 15 and 40 clients?
Monthly billing, list prices as shown on vendor pages in October 2026, in US dollars for the other tools. These are the plans you would need for booking and payments, before add-ons, processing fees and VAT.
| Tool | 5 clients | 15 clients | 40 clients |
|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients |
| HubSpot | $0 (Free, branded) or $20 Starter seat | $0 or $20 | $0 or $20 |
| Dubsado | $55 (Premier, for scheduler) | $55 | $55 |
| Paperbell | $97 | $97 | $97 |
| Practice Better | $35 (Starter); $99 for branding | $69 (Professional); $99 for branding | $69; $99 for branding |
| Bonsai | $25 per user (Essentials) | $25 | $25 |
| GoHighLevel | $97 plus metered usage | $97 plus usage | $97 plus usage |
Whether a UK business pays VAT on an overseas software subscription depends on its VAT status and how the supplier charges, so ask your accountant how it applies to you. Card processing (Stripe or the vendor's own processor) comes on top of every row.
Should you buy one all-in-one CRM or assemble a stack?
For most UK coaches, one system is cheaper and easier to keep compliant; assembling makes sense only if one part of your business is unusually specialised. Here are three realistic recipes using list prices from this article. The assembled stacks still need a website, a course host and a community, which we have not priced because they vary widely.
| Stack | What it covers | Monthly list cost | Still missing |
|---|---|---|---|
| Coachful on its own | Website, funnels, email, booking, agreements, payments, programmes, courses, community, client app | Solo: $49/month for up to 20 clients (15 clients) | PayPal; clinical notes |
| HubSpot Starter + Paperbell | Pipeline and email, plus booking, packages and contracts | $20 + $97 = $117 | Courses, community, habits, check-ins, client app |
| Bonsai Essentials + HubSpot Free | Proposals, invoices, time tracking, plus a branded contact list and email | $25 + $0 = $25 | Website (beyond HubSpot pages), booking flow for clients, all delivery |
| Dubsado Premier + separate website + newsletter tool | Forms, contracts, invoices, scheduler, workflows | $55 plus your site and email tool | Courses, community, habits, check-ins |
The hidden cost of an assembled stack is not the subscriptions. Each tool is another data processor to name in your privacy notice, another place to update when a client asks for their data, and another login for the client. Under UK GDPR you are responsible for knowing where each client's information lives (ICO UK GDPR guidance).

How would a UK coach set this up in Coachful?
Take an example: a career coach in Bristol selling a 12-week programme to professionals, with a free 30-minute discovery call. These are the steps, in order.
- Website. Pick one of the 30 homepage templates, or use the Import website option, connect your .co.uk domain and add your privacy notice page. If you would rather not build it, request a website build through the free white-glove service.
- Discovery call. Create a free session type with intake questions (current role, goal, timeline), buffers and minimum notice. Connect Google or Outlook so it reads your existing diary.
- Agreement. Upload your coaching agreement so it goes out for e-signature before the first paid session. Our coaching contracts page explains what to include; have a UK solicitor review it.
- Payments. Connect your own Stripe account, create the programme offer with a one-off price and a three-instalment payment plan, and turn on Stripe Tax if you are VAT-registered.
- Programme. Build 12 weeks with weekly goals, tasks (update CV, two networking messages) and a Friday check-in. Templates give you a starting point.
- Attract. Set up a lead-magnet funnel ("Five questions to ask before you resign") with a short email sequence that ends in the discovery-call link. Add an Instagram automation that DMs the guide when someone comments a keyword.
- Retain. Each week, check clients marked quiet or at risk and reach out. Near week 10, offer an alumni group or follow-on sessions.
For niche-specific setups, see our pages for career coaches, business coaches and executive coaches.
How do you migrate to a new CRM without losing clients?
Export everything first, move active clients last, and tell clients what will change. A few UK-specific points make the switch smoother:
- Export before you cancel. Download contacts, notes, signed agreements and invoices from the old tool. Keep invoices for as long as HMRC requires for your business records.
- Do not move what you do not need. UK GDPR's storage limitation principle means a migration is a good moment to delete old leads you have no reason to keep.
- Move recurring payments carefully. Subscriptions tied to one processor account may not transfer. Plan a cut-over date and ask clients to re-enter card details through the new checkout.
- Update your privacy notice. Name the new platform as a processor and remove the old one once data is deleted.
- Run both for one billing cycle. Keep the old tool read-only for a month while clients settle into the new app.
On Coachful, clients, programmes and content are imported for you during onboarding, and the white-glove team can rebuild your website or funnel. A somatic coach leaving Kajabi, for example, had their homepage and About page rebuilt and their contact form connected.
What mistakes do UK businesses make when choosing a CRM?
- Buying a sales CRM for a delivery business. A pipeline is useful for 20 leads a month; it does nothing for 20 clients halfway through a programme.
- Comparing headline prices only. A $0 CRM plus four other tools can cost more than one platform, and per-seat or metered pricing grows quietly.
- Ignoring VAT until the threshold. Choose a tool whose invoices can handle VAT before your turnover approaches £90,000.
- Keeping health notes in a coaching tool. If you are a clinician, clinical records belong in a clinical system; coaching is not treatment.
- Forgetting the client side. Your clients log in too. Count how many apps and emails they have to juggle.
So which is the best CRM in the UK?
For coaches and programme-based service businesses, Coachful is the best fit because it is the only tool here that covers attract, enrol, deliver and retain in one login, with a branded client app and a free white-glove build to set it up. HubSpot is the right choice for consultancies that live in a sales pipeline. Dubsado suits paperwork-heavy project businesses, Practice Better suits practitioners who chart, Paperbell suits solo coaches who only sell packages, Bonsai suits hourly consultants, and GoHighLevel suits agencies. Frequently asked questions
What is the best free CRM in the UK?
HubSpot's Free tools tier is the most capable free CRM on this list, with up to 2 users and 1,000 contacts and no time limit, as listed in October 2026. It carries HubSpot branding and has no client delivery features. Practice Better also has a free Sprout plan for 3 clients.
Do UK CRMs show prices in pounds?
The vendors in this article listed their prices in US dollars on the pages we reviewed in October 2026. You can still take client payments in pounds through Stripe on most of them. Check each checkout for the currency you will be billed in.
Is a CRM UK GDPR compliant by default?
No tool makes you compliant on its own. You need a lawful basis for processing, a privacy notice, and the ability to export or delete a client's data on request. Pick a CRM that supports exports and deletion, and check the ICO's guidance for your obligations.
Do I need to pay the ICO data protection fee if I use a CRM?
Most UK businesses that process personal data must pay the ICO data protection fee unless they are exempt, whether or not they use a CRM. The ICO's website has a self-assessment to check whether you need to pay and which tier applies.
Can a CRM handle VAT on my invoices?
Many can, but check before you rely on it. Coachful supports Stripe Tax and produces an invoice for every transaction. You must register once VAT-taxable turnover passes £90,000 in a rolling 12 months; ask an accountant how VAT applies to your services.
What is Coachful's free white-glove service?
It is a build service included on every plan: you describe a website, funnel, programme, email sequence or similar, attach up to 8 links and 10 files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include video recording, logo design or ad management.
Is Coachful suitable for clinical or health records?
No. Coachful is a coaching platform, not a clinical record system, and it is not HIPAA-certified. Coaching is not medical treatment; if a client describes symptoms that need assessment, refer them to their GP or an appropriate professional, and keep clinical notes in a clinical system.
Does Coachful integrate with HubSpot or Salesforce?
No. Coachful has no HubSpot or Salesforce integration, and it does not offer a multi-stage deal board for large sales teams. It connects to Zapier, Stripe, Razorpay, Google, Apple and Outlook calendars, Zoom, Meet, Teams, Meta Pixel and GA4.
Which CRM is best for a UK consultant rather than a coach?
If you bill companies by the hour or project, Bonsai or HubSpot will feel natural. If your consulting includes ongoing programmes, group sessions or accountability between meetings, a coaching platform like Coachful covers more of the work.
