Best Scheduling Software for Weight Loss Coaches: Top 10

Best Scheduling Software for Weight Loss Coaches: Top 10

The best scheduling software for weight loss coaches does more than fill a calendar. A weight loss client rarely books one call; they buy a 12-week or 16-week package, answer health and history questions before the first session, show up for a short check-in every week, and need something to do between calls so the plan survives a birthday dinner or a stressful Tuesday. So the deciding question is not "which booking page looks nicest" but "which tool sells the package, collects the intake, reminds the client, and keeps them moving after the booking is made."

Our pick is Coachful, the coaching platform we make. It handles booking, payment at booking, session credits, intake questions, reminders and video links, then carries the client straight into a program with habits, weekly check-ins and nutrition targets, all under one login. The other nine tools below are honest alternatives: some are cheaper if you only need a booking link, and two are worth a look if you work alongside clinicians. Each entry ends with the situation where you should pick it over Coachful.

Vendor prices and limits below are as listed on each vendor's site in October 2026. Nobody here claims hands-on testing; we report what vendors document and what public reviewers say.

What does the weight loss client journey ask of your calendar?

It asks for four different jobs, and most booking tools only do the first two. Mapping your own client journey stage by stage is the fastest way to see which tool fits.

Attract. A prospect finds you through a post, a referral or a free guide and books a discovery call. At this stage you need a public booking page, availability rules so calls land only in your chosen slots, time-zone detection for online clients, and a few booking questions (current goal, what they have tried, how they heard about you). A booking page that sits on your own website or funnel keeps the prospect inside your brand from first click to first call.

Enroll. The discovery call goes well and the client says yes. Now the tool has to sell a package: a 12-week program with weekly 30-minute calls, for example, paid in full or in instalments. It needs session credits, so the client can book their remaining calls without paying each time, and a coaching agreement they sign before the first session. This is also where your intake form matters most. Weight loss intake usually covers weight history, previous diets, eating patterns, sleep, activity, and the health flags that mean a client needs a doctor's input before you work together.

Deliver. Weekly or fortnightly calls with a video link, reminders that cut no-shows, and an easy way to reschedule when life gets in the way. For weight loss work, delivery also happens between calls: a weekly check-in form with weight or measurements (if the client wants to track them), nutrition targets, habit tracking, progress photos kept private. A pure scheduler stops at the calendar event.

Retain. Most weight loss clients need longer than one package. Retention means noticing who has gone quiet before they cancel, offering a maintenance tier or a group program, and making renewal a one-click purchase. It also means your records (notes, check-ins, sessions) live in one place, so the second package starts where the first ended.

If you want the broader view of tools beyond scheduling, our guide to the best software for weight loss coaches covers the whole stack, and the general roundup of scheduling software for coaches compares booking tools for every niche.

Which tools cover which stage of the journey?

Ranking criteria, in one line: one login for the whole client journey, between-session delivery, total stack cost at your client count, and setup effort (including whether someone will build it for you).

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

How did we rank these 10 tools?

We ranked by fit for the sessions a weight loss coach actually runs: packages and session credits, payment at the moment of booking, intake forms, reminders by email and text, video links, time zones, and, weighted heavily, what happens after the booking. We read each vendor's pricing page and feature documentation in October 2026, and checked Trustpilot for review counts where a profile existed.

Three questions separated the field:

  • Can a client buy a 12-week package and book all their calls from the credits? Without this you end up invoicing session by session or tracking credits in a spreadsheet.
  • Does the intake reach the client record? Booking questions that sit in a confirmation email are hard to find on week eight.
  • Is there anything for the six days between calls? Habits, check-ins and nutrition targets are where weight loss coaching does its work. A tool without them means a second subscription.

Pure schedulers score well on price and simplicity and poorly on the third question. Practice management tools score well on delivery but cost more and lean clinical. Coachful scored highest because it answers all three under one login, and because its team will set it up for you.

1. Coachful: booking that flows straight into the program

Coachful treats a booking as the start of a client relationship rather than a calendar event. The booking page, the payment, the intake answers, the agreement, the program and the weekly check-ins all live in one account, and the client sees all of it inside one branded app. We make Coachful, so weigh that, but the fit for weight loss coaching is specific.

Coachful's sessions calendar with demo 1:1 coaching sessions and morning accountability calls across a month.

Booking and reminders. Booking pages include availability rules, buffers between calls, minimum notice (useful if you never want a same-hour booking), and time-zone detection, so an online client in another country sees slots in their own time. Calendars sync two ways with Google, Apple/iCloud and Outlook. Each session gets either Coachful's built-in video or an automatically created Zoom, Google Meet or Teams link. Reminders go out by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. For a weekly check-in client, that one-hour WhatsApp nudge is often what saves the call.

Packages, credits and payment at booking. You can charge for a single session or sell a package that gives the client session credits to spend on their own bookings. Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, coupons, refunds, Apple Pay and Google Pay, with Stripe Tax and an invoice for every transaction. Coachful charges a 0% platform fee (since August 2026); you pay only Stripe or Razorpay processing. A 16-week program sold in four monthly instalments is a standard setup.

Coachful's Offers page with demo offers, including a 90-day program sold as one package.

Intake and agreements. Intake questions are attached to the booking itself, and the answers land on the client record next to their goals, notes, sessions and payments. A coaching agreement with e-signature goes out before the first call and is stored on the same record. The Intakes page tracks discovery calls and how many converted, which helps you see whether your free call is pulling its weight.

Coachful intakes page with total intakes, upcoming calls, conversions and a table of intake calls

After the booking. This is where the gap with every scheduler on this list opens up. Programs run for as many weeks as you set, with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars, and streaks. The Fitness & Nutrition pack adds nutrition targets up to calories and macros, meal plans, recipes, food lookup and barcode scanning, private progress photos and measurements, weekly check-ins, and a workout builder with illustrated exercises. Coaches attach their own demo videos; there are no stock exercise videos. See the Fitness & Nutrition pack for the full list.

Client coaching hub showing the next accountability call and required pre-session work
What a client sees in Coachful: the next session, tabs for programs, sessions and progress, and pre-session work (demo data).

Each client record shows a status of thriving, active, quiet or at risk, so you spot the client who stopped logging after a hard week before they ask to cancel. Michelle, the built-in AI assistant, briefs you before each session from the client's check-ins and notes, and can summarize recorded sessions. Email sequences, a community feed, group calls and courses cover maintenance tiers and renewals. If you sell a group program, cohort groups are created automatically when clients enroll.

Here is the scheduling walkthrough:

Why Coachful stands out: a free white-glove service. On every plan, you can ask the Coachful team to build things for you from Create > We'll build it for you. Describe what you want (a website, a booking or application funnel, a 12-week program, a sales page, an email sequence, an intake form), attach up to 8 reference links and up to 10 files such as your logo, photos and existing copy, and the team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices; gaps are left for you to fill. One recent build: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream where every button led to a free 20-minute consultation. It does not cover recording videos, logo design or ad management. Read more about the white-glove build service.

What it costs. Plans are flat and monthly; lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats with per-coach availability (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Every feature above is included in your Coachful membership. There is a free trial, and monthly plans cancel in one click.

What it does not do. Coachful is not HIPAA-certified and offers no BAA, so it is not the place for clinical records, prescriptions or insurance billing. There is no PayPal, no permanent free plan, no Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not publicly available. Routing forms that pick a host from form answers are not supported. The client app ships under the Coachful listing with your branding inside, not under your own App Store account.

Who it suits. Weight loss coaches who sell programs rather than single sessions, solo coaches growing toward a small team, and anyone currently paying for a scheduler, a payment tool, a habit app and an email tool separately. Coachful has a Trustpilot score of 4.5 from 21 reviews. More on the booking side on our scheduling software page, and on health coaching more broadly on the health coaches page.

2. Acuity Scheduling: the strongest intake forms among pure schedulers

Acuity is the scheduler to beat if your priority is a detailed intake form attached to the booking. Owned by Squarespace, it combines appointment scheduling with intake forms, packages and memberships, which matches how weight loss coaches sell: a package of weekly calls, booked against a balance.

Acuity Scheduling homepage presenting its appointment scheduling tool
Acuity Scheduling's homepage in October 2026.

For a weight loss practice, the intake forms are the draw. You can ask about weight history, previous programs, food preferences and health flags before the client ever reaches your calendar, and require answers before the booking completes. Packages let a client prepay for a block of sessions, and memberships suit a monthly maintenance tier. Payments run through your own Stripe, Square, PayPal or Venmo at their processor rates, with no Acuity fee mentioned.

As listed in October 2026: Starter costs $20/mo ($16/mo billed annually) for one calendar, Standard $34/mo ($27/mo annually) for up to six calendars, and Premium $69/mo ($55/mo annually) for up to 36 calendars. Every plan has a 7-day free trial with no credit card. Two details matter for this niche. Text reminders start on Standard, so the Starter plan sends email reminders only. And a HIPAA BAA is available only on Premium, which is relevant if you work inside a medical weight management clinic.

The limits are on the other side of the booking. Acuity has no client portal for programs, habits, check-ins or messaging, and no courses, community, website builder or email marketing. Public reviewers on Trustpilot give it 3.6 from 687 reviews. For a deeper look, see our Acuity Scheduling review and Acuity pricing breakdown.

Pick it over Coachful if you already run delivery somewhere else, want the most configurable intake form on a booking page, or need a BAA for clinic work and can pay for Premium.

3. Calendly: the familiar link for discovery calls

Many prospects have booked through Calendly before, which lowers friction on a free discovery call. For a weight loss coach it works best at the very top of the funnel: one event type, a few booking questions, a reminder, done.

Calendly homepage with its scheduling headline and sign-up buttons
Calendly's homepage in October 2026.

The free plan gives you one event type, one calendar connection and 1:1 scheduling. Standard is listed at $10/mo per seat billed annually (the monthly price was not shown on the pricing page in October 2026) and adds unlimited event types and up to six calendar connections. Teams is $16/mo per seat billed annually. You can take payment at booking by connecting your own Stripe or PayPal; Calendly documents no fee of its own on those payments. Whether a free trial exists was not stated on the pricing page when we checked.

What it lacks for weight loss work: there are no client records, notes, programs, habits or check-ins, no intake questionnaires beyond booking questions, and no contracts or invoicing. Packages with session credits are not part of the documented feature set, so a 12-week client either books each call as a free event (and you bill elsewhere) or pays per session. Because pricing is per seat, adding a second coach doubles the bill. Trustpilot shows 4.1 from 714 reviews.

Pick it over Coachful if all you need right now is a no-cost link for discovery calls, and your packages, payments and client follow-up already run in other tools you are happy with.

4. TidyCal: packages on a tight budget

TidyCal earns a place because it sells booking packages for very little money, which is rare among cheap schedulers. A new weight loss coach can sell "six weekly check-ins" as one product and let the client book each call against it.

TidyCal homepage introducing its low-cost booking pages
TidyCal's homepage in October 2026.

The free plan includes unlimited booking types and bookings, one readable and one writable calendar, and basic integrations with Google, Office 365 and Apple. The catch is the payment fee: TidyCal takes 1% of Stripe payments on Free and Lifetime plans, on top of Stripe's own fees. Pro, listed at $12/mo ($8.25/mo billed annually), removes that fee and adds unlimited calendar connections and unlimited SMS reminders. A lifetime deal also exists (it is sold through AppSumo), but its price was not listed on the page we read.

Run the numbers on that 1%: on a package priced at a few hundred dollars, Pro pays for itself after a handful of sales. Beyond booking, there is nothing: no client records, notes, programs, habits or check-ins, and no courses, community, website builder or email marketing. Trustpilot reviewers give it 3.1 from 182 reviews. Our list of the cheapest scheduling software for coaches compares it with other low-cost options.

Pick it over Coachful if you are pre-revenue, want packages with credits for the lowest possible monthly cost, and will handle check-ins by email or a separate habit app for now.

5. Practice Better: when your work sits close to clinical nutrition

Practice Better is practice management software for wellness and nutrition practitioners, and it shows: scheduling, telehealth, charting, billing, programs and a client portal in one product. If you are a weight loss coach who also holds a dietetics or nutrition credential, it may fit the way you document.

Practice Better homepage for wellness and nutrition practitioners
Practice Better's homepage in October 2026.

Pricing as listed in October 2026 is tiered by client count. Sprout is free for 3 clients. Starter is $35/mo ($25/mo billed annually) for 10 clients, Professional $69/mo ($59/mo annually) for 300 clients, Plus $99/mo ($89/mo annually) for unlimited clients, and Team $155/mo ($145/mo annually) for two practitioners. Trials run 14 days on most paid plans and 30 days on Team. Payments go through Practice Better Payments, powered by Stripe.

The plan gating matters for weight loss coaches. Evergreen programs, portal branding, a custom URL and SMS reminders start on Plus. So the version that lets a client join a self-paced program any day, with text reminders and your brand on the portal, costs $99/mo. There is no website builder or funnel pages, and below Team you get one practitioner per account. Trustpilot shows 3.8 from 87 reviews. If you are weighing a move away from it, our list of Practice Better alternatives for weight loss coaches goes deeper.

Pick it over Coachful if you chart in a clinical style, work under a nutrition or dietetics licence, and need charting and telehealth features more than funnels, community or a website.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

6. Paperbell: one price for the admin side

Paperbell is built for solo coaches who want booking, packages, payments and contracts in one place without thinking about tiers. Every account gets the same feature set for one price, which suits a weight loss coach who sells two or three packages and nothing else.

Paperbell homepage pitching all-in-one admin for coaches
Paperbell's homepage in October 2026.

The single plan is $97/mo ($80.83/mo billed annually) with unlimited clients, sessions, files, packages and traffic, plus a 30-day money-back guarantee. Paperbell says it adds no transaction fees; Stripe or PayPal processor fees apply. A free trial is offered, though its length is not shown on the pricing page (an older help-center note described seven days with the public site offline and client messages and SMS turned off).

For enrollment, Paperbell covers the essentials: a client buys a package, signs the contract and books from their sessions. Delivery is thinner. According to its older product profile, there is no course builder, community, or goal and habit tracking, and no native mobile app, so clients use a mobile browser. For a weight loss client who should be logging habits daily, that means adding a separate app. Trustpilot shows 3.5 from 14 reviews. See our Paperbell alternatives page for comparisons.

Pick it over Coachful if you want a single fixed price, sell only 1:1 packages, and are content to run habit tracking and check-ins outside your booking tool.

7. Setmore: generous free tier, reminders on Pro

Setmore is a general appointment app with a booking page, reminders and payments, and one of the most generous free plans here. It suits a coach who also sees in-person clients at a gym or clinic alongside online calls.

Setmore homepage promoting its free appointment scheduling app
Setmore's homepage in October 2026.

The free plan covers up to four users and unlimited appointments, with one email reminder and no SMS. Pro is listed at $12/mo per user ($5/mo billed annually) for unlimited users and 500 SMS credits per user per month, with a 30-day risk-free period and a refund on request. Processor rates apply to payments; Setmore shows no fee of its own.

Two free-plan gaps hit weight loss coaches. There are no SMS reminders, and there is no two-way calendar sync, so a personal appointment added in your own calendar may not block your Setmore slots. Beyond scheduling, there are no client programs, habits, check-ins, courses or community, and no contracts or invoicing workflow on the pricing page. Public reviewers rate it highly: 4.9 on Trustpilot from 3,274 reviews.

Pick it over Coachful if you need several people to share a no-cost booking calendar, or want cheap text reminders for appointments and nothing else.

8. My PT Hub: bookings attached to a training app

My PT Hub is personal trainer software, and weight loss coaches who prescribe exercise alongside nutrition may like that bookings, payments, workouts, nutrition plans, habits and check-ins share one client app. It is the only tool after Coachful on this list with real between-session delivery.

My PT Hub pricing page with Starter, Premium and Ultimate plans
My PT Hub's pricing page in October 2026 (it shows euro prices).

As listed in October 2026: Starter is $25/mo ($22.50/mo billed annually) for 3 clients, 50 workouts and 50 nutrition plans (a My PT Hub blog post says 5 clients, so check before you buy). Premium is $59/mo ($52/mo annually) with unlimited clients, workouts and nutrition plans. Ultimate is $215/mo ($195/mo annually) with five additional trainers. There is a free plan, and a 30-day trial with no card that downgrades to it automatically. Payments run through Stripe.

The framing is gym-first: workouts lead and nutrition follows. A white-label app store listing is a paid add-on below Ultimate, and the pricing page shows no course builder, website, funnels or email marketing. Intake forms and session credits are not called out on the pricing page, so confirm how packages work for your setup during the trial. Trustpilot shows 4.4 from 2,557 reviews.

Pick it over Coachful if your weight loss coaching is mostly training-led, you see clients in person, and you do not need a website, funnels or email sequences from the same tool.

9. TimeTuna: branded booking pages for coaches

TimeTuna markets itself to coaches first, and its free plan is unusually complete for a booking page: unlimited booking pages, video backgrounds, two-way Google, Microsoft and iCal sync, and automatic Meet, Teams and Zoom links. For a weight loss coach who cares how the discovery-call page looks, that is a lot for nothing.

TimeTuna homepage with branded booking pages and audience tabs
TimeTuna's homepage in October 2026.

Pricing is read from the site's own price table (the pricing page renders in euros for many visitors, so treat the dollar figures as medium confidence). Pro is $11.50/mo ($5.83/mo billed annually) for a single user and adds custom intake form fields and a custom domain. Executive is $23/mo ($11.67/mo annually) with team sharing for up to six people, and it is the plan you need to charge for sessions through Stripe. Pro and Executive have a 14-day free trial. TimeTuna states no fee on paid bookings; Stripe's processing fees still apply.

TimeTuna's own comparison page lists client packages, programs and contracts as "coming soon", so a 12-week package with credits is not something to plan around yet. There is no course, community or client portal. We found no Trustpilot profile.

Pick it over Coachful if you want a polished, branded booking page for discovery calls at no cost, and you sell and deliver your programs somewhere else.

10. Calendon: the cheapest paid booking link

Calendon is a simple booking-link scheduler whose Pro plan is pitched at coaches, freelancers and professionals selling sessions paid upfront. At $5/mo ($4/mo billed annually) as listed in October 2026, it is the lowest paid price on this list.

Calendon homepage pitching paid booking links for coaches
Calendon's homepage in October 2026.

The free plan, described as free forever, gives you three services, two schedules, unlimited bookings and one custom question per service, with a "Powered by Calendon" badge. Pro opens up unlimited services, schedules and custom questions (text, dropdowns and checkboxes). Payments, reminder emails and Zoom are Pro-only; Google Meet links work on Free. Calendon takes 0% commission, so booking revenue goes to your Stripe account minus Stripe's processing fee.

Limits for this niche: booking links do not work for guests until you connect Google Calendar, Microsoft Outlook and Teams show as "coming soon" in the app, and the free plan sends no reminder emails, which is a real problem for weekly check-in clients. There are no packages, records or between-session features documented. The free-trial length for Pro is not stated on the pricing page.

Pick it over Coachful if you need a paid booking link for single sessions this week, on a Google calendar, for the lowest possible price.

How do the features compare side by side?

Coachful is the only tool here that checks every box a weight loss coach is likely to need, from booking through between-session delivery. "Not documented" means the feature did not appear on the vendor's pricing page or profile we read, not that it definitely does not exist.

What does an all-in-one stack cost versus an assembled one?

An all-in-one stack costs one subscription; an assembled stack costs a scheduler plus a delivery app plus an email tool, and the total climbs with your client count. The tables below use monthly prices as listed in October 2026 and are examples, not quotes. Card processing fees apply to every option and are left out.

Recipe A: all-in-one. One Coachful account covers booking, packages, payments, agreements, the program with habits and check-ins, nutrition targets, email and your website. The cost depends only on which plan covers your client count.

Recipe B: scheduler plus a coaching app. For example, Acuity Standard ($34/mo, for text reminders) plus a client-count-priced fitness app for habits and check-ins, such as Everfit Pro, which lists $29/mo for 10 clients and $95/mo for 50 clients. Add an email marketing tool at its own price; we have not priced one here.

Recipe C: lowest-cost assembly. TidyCal Pro ($12/mo) for packages and SMS, plus a free habit or check-in app for a small client list. This works at five clients and starts to strain at fifteen, when manual follow-up eats your evenings.

The assembled stacks also carry costs the table cannot show: two logins for your clients, intake answers in one tool and check-ins in another, and the weekly half hour spent copying data between them. When you compare totals, add an email tool and, for Acuity, Calendly or TidyCal, the website you still need.

Where does coaching end and medical care begin?

Weight loss coaching supports behaviour change; it is not medical treatment, diagnosis or a prescribed diet. Your scheduling and intake setup should make that line visible. The CDC's guidance on losing weight and the NIDDK's weight management pages are good, neutral references to share with clients.

Build these red flags into your intake questions, and refer the client to their doctor before starting (or pause and refer if they come up later):

  • Diabetes, heart, kidney or liver conditions, or high blood pressure under treatment.
  • Taking weight loss medication (such as a GLP-1 drug) or any medication whose dose may need to change as weight drops.
  • Pregnancy, breastfeeding, or planning a pregnancy.
  • Any history or current signs of an eating disorder, including restricting, bingeing or purging.
  • Rapid unexplained weight loss or gain.

Coachful is not HIPAA-certified, so keep clinical records, lab results and medication details in a clinical system when you work with a medical team. Coaching credentials from bodies such as the NBHWC set out the same scope boundary. Our guide to weight loss coaching covers what the work involves.

How do you move your bookings without losing clients?

Move in a quiet week, keep the old booking link alive until every existing booking has passed, and tell clients once, clearly. A switch that confuses a weekly check-in client is a switch that costs you a session.

  1. Export first. Download your client list, upcoming bookings and intake answers from the old tool before you cancel anything. If you are moving to Coachful, clients, programs and content are imported for you during onboarding.
  2. Rebuild packages before announcing. Create your 12-week or 16-week package in the new tool with the same number of sessions, and give existing clients credits equal to their remaining sessions so nobody pays twice.
  3. Connect your calendar and test time zones. Book a test session from a different time zone (a phone set to another region works) and confirm the video link and reminders arrive.
  4. Move recurring clients at a natural break. The end of a program week or a new month is easier than mid-week. Send one message with the new link and the date the old one stops working.
  5. Re-send the agreement. If your contract lived in the old tool, send it again from the new one so the signed copy sits on the client record.
  6. Update every link. Your bio link, website buttons, email signature and lead-magnet emails all point at the old booking page. Missing one sends prospects to a dead page.
  7. Cancel the old subscription last, after the final booking on the old calendar has passed.

Common mistakes: sending clients three different links in a week, forgetting to turn off reminders in the old tool (so clients get duplicates), and dropping intake answers that you will want on week ten. If your setup feels like too much to do yourself, the Coachful team can build your booking funnel and program for you during setup.

Which scheduling software should a weight loss coach choose?

Choose Coachful if you sell programs and want booking, payment, intake, reminders and between-session habits and check-ins under one login, with the team setting it up for you. That covers most weight loss coaches past their first handful of clients, because the work that gets results happens between calls.

Choose a pure scheduler if your needs are narrower. Acuity is the pick for detailed intake forms on a booking page; Calendly and TimeTuna for a familiar or polished free discovery link; TidyCal and Calendon when budget is the deciding factor. Choose Practice Better if your work is close to clinical nutrition, Paperbell if you want one fixed price for admin only, Setmore for a shared free calendar, and My PT Hub if your coaching is mostly training-led.

If you are just starting out, our guide to starting a weight loss coaching business walks through offers and pricing, and the roundup of habit tracking apps for weight loss coaches covers the between-session side in more depth. Frequently asked questions

What is the best scheduling software for weight loss coaches?

Coachful ranks first because it combines booking, packages with session credits, payment at booking, intake questions and reminders with programs, habits, check-ins and nutrition targets. If you only need a booking link, Acuity Scheduling is the strongest pure scheduler for intake forms, and TidyCal is the cheapest with packages.

Do I need session packages, or can clients pay per call?

Many weight loss coaches sell packages, because change takes weeks and a prepaid block of sessions gives the work a clear start and end. Look for session credits, so clients book their remaining calls without paying each time. Coachful, Acuity, TidyCal and Paperbell all document packages.

What should a weight loss intake form ask?

Goals, weight history, previous diets or programs, eating patterns, sleep, activity, and the health flags that need a doctor's input: diabetes, heart or kidney conditions, medication including GLP-1 drugs, pregnancy, and any eating disorder history. Keep clinical details out of non-HIPAA tools and refer when a red flag appears.

Is Coachful HIPAA-compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical records or insurance billing. Acuity offers a BAA on its Premium plan, and Practice Better is built for clinical-style practitioners; use a clinical system for medical records if you work with a medical team.

Which tools send SMS or WhatsApp reminders?

Coachful sends SMS 24 hours and WhatsApp one hour before a session once messaging is enabled, plus email reminders. Acuity includes text reminders from Standard, TidyCal on Pro, Setmore on Pro with 500 credits per user, and Practice Better from Plus.

Can clients in other time zones book with me?

Yes, with any tool on this list that detects the visitor's time zone. Coachful shows slots in the client's local time and syncs two ways with Google, Apple/iCloud and Outlook calendars. Always test with a booking from another region before you share a new link.

What is Coachful's free white-glove service?

On every plan, you can ask the Coachful team to build things inside your account: a website, booking funnel, program, sales page, email sequence or intake form, among others. You describe it, attach up to 8 links and 10 files, and they usually finish in about 24 hours. It does not include recording videos, logo design or ad management.

Does Coachful sync with fitness trackers or Apple Health?

No. There is no Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not publicly available. Clients log workouts, nutrition, measurements and check-ins inside the app, and progress photos stay private between client and coach.

Can I take PayPal for weight loss packages?

Not in Coachful, which uses your own Stripe Connect or Razorpay account and supports cards, Apple Pay and Google Pay. Calendly, Acuity and Paperbell support PayPal if it is essential for your clients.

How long does it take to switch scheduling tools?

Plan on a week or two of overlap, keeping the old link live until existing bookings pass. In Coachful, clients, programs and content are imported for you during onboarding, which cuts most of the manual work.
